the word basics. You're starting out
in Microsoft Word, then this is perfect for you. What we will cover in this course are the
following paths, movements and groups,
editing documents, inserting a picture,
lists, and so much more. So learn Microsoft Word now
and I'll see you inside.
2. Introduction - New Word Document and Templates in Microsoft Word 2019: Hi, This is Brian Hung, and we'll be discussing about the basics off using Microsoft Word. So for Microsoft Word to starting self. Okay, if you have word panned over here, you can just click on it and then have it started. But if not, you can use the search bar, okay? And then just type in word. And then if you haven't installed in your window, turn your computer and it will show up. But if not, then of course you'll still need to install it. I think so. Let's starting soft. So I'm using Microsoft Word 2019 over here. But it should still apply to the utter versions off office. OK, on the things that I will be teaching here. So what we have here right now is we have our starting point so you can start off with a black document orders quite a number off templates that you have available over here, and the cool thing with that one ISS. If you need something like head start, if you want, let's say for a certificated, then you could just search your templates over here. And there's quite a number off categories that we have business we have cars were flyers, right? Education. So, for example, let's just try Russia me. Let's say you want to create a cover letter or Russian made and you have a lot off samples already over here. Okay, So, depending on your needs or whatever you fancy, OK, so you could just double click on it, for example, it's gonna download the template. Then you can add it it straight away in Microsoft Word. So one of the really nice thanks with using templates is it's a great time saver. Okay, So less deciding. It's just more are filling up. Okay. The necessary things that you need to put over here, for example, for this cover letter. Okay, So what we'll do right now is I'll not be covering templates for the tutorial. Okay, So what I will be covering is creating a documents from scratch. So what I'll do is I'll go to foul. Let me just close this. No need for us to save. And now go back a foul, and then let's go to new to create a new document Once we have blank documents selected. Okay, we're ready to go
3. Tabs, Ribbons and Groups in Microsoft Word 2019: So before we start editing our word document, what I want to show you first is what we have here on top. Okay? Don't be overwhelmed by this one. Let's go over this one by one. So what we have on the top? Okay, this heart tab. So we have the home tab insert signed layup chatterers so you can click on them, and then there's gonna be a whole lot off different options that will show up. So, for example, if you get home right if you click insert Okay, there's another set of options. So inside the tab, Okay. What we call it is a ribbon. So it's just morph like away off displaying this options to you. Okay, so we have this one, this insert ribbon over here, and then it's ribbon is divided into groups. So, for example, inside the insert ribbon over here. OK, we have the pages group. You could see the group name at the bottom. We have the tables group. Okay. Illustrations group Adan's group. Okay, so which means if we want to try to navigate to a specific option or feature in word and it's easy for us to navigate, we just tell you. Okay, let's go to insert under illustrations. Let's select pictures, for example. Okay, so it's just so nice way for us to navigate. True. The different options in this ribbon and different taps over here. Okay, So one thing I want to focus on ISS for the group's okay, You could notice. Let's go back to home. That home tab over here. So, for example, for some of the groups, not old, all of them, some of them would have this launch, but it's on the lower right corner. So, for example, over here to clipboard. Okay. The tipper group, we could see there's this bottom over here, OK, so you could use that launch button if you want to check for additional options because what's displayed over here are pretty much the most commonly used functions, but not all of them. There's just a whole lot of things that you could do it word, but not all of them would be able to fit inside over here. For example, if you resize the window okay to a smaller window, then definitely you cannot show everything in here. So what word has done is it shows you this button so that you can expand on them. So, for example, for the front right. If we click on this one, it's gonna show you a separate, different panel. And there's the complete set, features or options that we could do with your phones. We have the advances, Well, options over here. Okay, that you wouldn't be able to see over here. Okay, so let's say Let's just jump over to a different tab just to see. So, for example, Adan's over here. There's no launch button. But if we select, let's look for others. Let's say let's go to lay out there's pay set up. So if I cook this okay, then we have more pay set up options displayed right now.
4. Zoom and Rulers in Microsoft Word 2019: Okay, now that we've gone over the tabs, the rebounds and the group's let's go over on the zoom level off your document and the Yusof rulers. Okay, So for example, over here we have our blank document right now. And then let's say you're more used to seeing your document, like bigger. So you could see over here. You have your zoom panel over here, and then it just increased the zoom level so I could see our document getting bigger. Or if you want a nice bird's eye view, then you could also some out. Okay, so this is really useful. If you have a document that's many pages long and then you just want have a quick bird's eye view, okay? To look for margin errors or formatting errors, Then you could just quickly go true. This one. Okay, just come out and then you could see multiple pages. Side by side came. But if you're not used to that, if you want to see it like more close up, then you could just change it this way. Okay, so that's where the zoom. Now, if you're used to having rulers over here because if you've use a different word versions or older versions usually have your ruler here on top so that you could see the land or the width of your document, and that you could instantly change the margins a swell. So I would be looking forward ruler function over here on How can I show it up or here? So, for example, layout. I couldn't find it over here. So one of the nice things with word it's there's a quick search function so I could see over here right for the search. You could just go search and then let's say that's type and ruler and you could see that there is the best match off show router if I click on this and now you have your rulers over here. So if you're having a difficult time trying to look for a specific function that say, I want to insert picture right, you could just type it in here. And word is smart enough to give you suggestions on what you're trying to do. So it's this one. For example, insert picture is exactly the same as going to the insert tab and then selecting pictures over here. Okay, so this is really handy
5. Editing the Document in Microsoft Word 2019: Okay, now that we have our Microsoft Word right set up for environment, let's get into some action which is editing our documents. So, for example, let's say we just want to create a quick Microsoft Excel exam for students. Okay, so let's just type in, say, name right, and then I'll just hold the underscore and then all typing class for King and in a whole underscore. Right? And then let's go for a date. Okay, have them fill in and then let's say I'll just go for a title. Okay, let's say X so macros, final exam, and then it's type in, Just a couple a couple of questions over here, right, Second question, and then her question. Okay, and then Limoges add another one and spell this okay on purpose so that we can use the spellcheck function later. Cool. So now that we have this and let's say I just want to change the style off this one so normally what I would do is I'll go here home and then go through the font and then make some changes toothy size, for example, and then chased a farm color. Okay? And and they say make it bold, underline, italicize. They could do all the changes, but one of the nice things if you could just go to home styles and then just select the many stars that you have over here. So let me just click this down button so they could see everything. And you could just change this too intense, for example, on whatever is good for you. So, for example, let's just stick with this one. Are you just go for a bigger one. That's a title. OK, so whatever you want for the style, it's a preset okay, over here preset style over here, that's easy to use. So let's say if you're still not satisfied with this style, he could modify it. A swell that said, it's make it bigger for the science, OK, and then go for underlined and maybe both, as well. So now that we're happy with this one, in the case of what we have with the home tab, over here is the most common options that we're gonna be using. And another cool thing is, for example, let's say we just want to change the style for the name. There's also the pop up so if you highlight this specific text is going to show you a quick panel over here so that he can make changes to the text that you have selected or highlighted. So, for example, fecal styles. And it's the same thing. Okay, it's gonna be the same effect us what we did a while ago over here. So it's another handy tool that word provides for you. If you're if this is too far for you, right, you could just go here, and it makes the fun or design changes a swell for your texts.
6. Insert Pictures in Microsoft Word 2019: So now we have our document ready And what we will be doing next. ISS inserting off pictures into your document. So one of the really nice thinks is you can go for insert over here. Okay, let's go to pictures. And you could just insert any picture straight into your word documents. So just double click on any image. And over here, right, we have our image now, inside. So one of the things issue could see that it's not as flexible, right? If we try to move this around, okay, it's pretty hard it he haven have your line over here split into two. Okay? Because the image somehow got right in the middle. Okay, So what we will be doing is let me just look at how can we make this smaller? So it's pretty easy to just drag and drag this to the smaller size over here. Okay. But it's still not looking good inside our document. So what I can do? Issue could just see this panel over here. This bottle over here, off layout options, and you could just select. Okay, So the default one is in line with texts, so you could just change this into behind texts in front of text, right? So that it will just be free flowing. Okay, with your text. So what I did was I selected this the behind text right now, and you could just move this anywhere inside your document. So that say, it's just moved to somewhere here. Okay, so now that we're happy with this one, so I could just add okay, more decides, for example, with this option and another thing that's important to know office. Whenever you said at a picture or any object, this would show up. Okay, this set off options. Okay, so we have the format over here, and it's specific to an image for a picture because we selected a picture. So we just why this fall on the picture tools showed up on top if we sit back away. So, for example, if I said it here, you could see it disappeared. So if I select this back, then the picture tools will show up again. So the question right now is what can we do it? This format option Over here are former tab over here. So let's go over removed background. It tries to remove the background, but it's not doing a good job. So let's just discard this in case. But there's a lot of things that you can do. So, for example, we can go for corrections. You can change the darkness or how bright it is. Okay, so you could see changing or a preview of what's gonna happen. Okay, let me just go away from here. Let's go for color if you want it to be orangey. Right. So there's a lot off variations that he could do over here right out of the box. So, for example, this one, you have artistic effects. So if I go for glow, it's gonna be different. A swell over here. Okay? And there's also pictures now, so if I said like this drop down over here. Okay, you could see that it gets put inside frame, and you could even have treaty effects for this one. OK, so this one looks pretty nice. Okay, so let me just select this. So we have picture styles who have borders, effects layout, that you could just play wet okay to all of your images and then another one that's really useful is to use off crop. So if I use crop over here, Okay, you could crop your image right inside off words. So no need to added your picture outside of Microsoft Word. That's a use photo shop or Microsoft paint, right? He could do it inside off word. Okay, so if I do this, if I click away, then it's ready. Crops. If, for example, I had second thoughts and I want to make some additional changes. Let's say make it bigger. Okay, you could redo or undo your changes to swell with the crop, so that's really cool inside off work. Okay? So once you're happy, pick away. And now you have your image over here. If I go back again to insert. Okay, so that's for a picture. Okay, that's stored inside your computer or your hard drive If I want to look for pictures online , there's also another option off online pictures. There's also I couldn't write. There's a lot off options that you could do or play with inside word. So, for example, if I want to use this icon over here right now, just go insert and straight goes inside your max off word. So same thing he can go for their options gain. Let's go for behind text, and then you could just move it anywhere across your document. So same thing, right, since we selected a graphic this time, there's this graphic stools over here, and you could also have your options a swell to play around with. So I'm just playing around with the styles right now. I can have it field up with a different color, okay? And then let's say you could just continue to play with this. So let's go back again to insert and then let's try out online pictures. So if you don't have a picture available, then you could just go for online pictures. And let's say that select for dogs, okay? And it's gonna grab some pictures. So just wanting to be aware office the licensing of the pictures. OK, so you were going to be using it for business purposes, then you need to check first whether you can use that image for you or not. So they say they just picked this dog. Let's go to insert and then we have the same. It's right now over here. Okay, so let me just do this. And now we've gone over on how to insert pictures in Microsoft Word
7. Insert Shape and Text Box in Microsoft Word 2019: Now let's talk about inserting shapes. So if we want to have a specific call out or something that we want to add, that stands out over here, then we can use insert a swell. So we have insert shapes, right? So it is go to insert shapes on can. There's a whole lot of shapes that he could play around with over here. So let's say that's just add this shape over here, right? Just drag this around and same thing right? Once we had this object selected, we have drawing tools now showing up okay under the former tab and that you could just change your styles over here for a different feel and then same thing, a swell for any shape that you select. You could even add more shapes or whatever that you want to do, so we could also insert tax bunkers over here so we go to insert text and text box. So let me just go for this one quotation, and it's a really nice way off adding a coat in here. OK, so it's just at in a coat. That's a time it's gold. And I say I want this center just go to homes and center this, okay, and then make this a bit bigger. So you just make changes. And the Kolding with the text boxes. It's easily movable. Okay? Anywhere across your documents. So if you want to move this anywhere, same thing, a swell with the image. If you were having a hard time right managing the layout, you could also change the layout options. Okay. And then just select behind texts and same thing. You could now move this anywhere across your documents. Okay, so that's for tax boxes, and it's a really nice way to make it stand out inside your document.
8. Review Tab in Microsoft Word 2019: next one is I want to show the review tab off Microsoft for it. So let's go to review, okay? And there's quite a number of options. So the 1st 1 I want to stress out its spelling and grammar. So whenever you have document right before you finalize it, it's really a handy way for you to use spending and grammar. Because remember a while ago what I did Los Ice misspelled this on purpose. And let's see if it's going to get caught by spelling and grammar. So if I select this right, check the rebel Commander Sisko for yes. Okay, so it got the Ford Okay, incorrectly, so it will give you a couple of suggestions. But if not, then you could just change it. Man. Unity for you When King. So they just go here, since it's already been called out, right? And go to assume. And now that it's okay, it's gonna tell you that spelling and grammar check is complete. But if one of the suggestions make sense, then just go for that one. Just click on it and it will get reflected right away inside the document for you. OK, so it's a really nice way to just check those fat finger mistakes. Okay, if you made a careless mistake, no worries. Word has you covered, and it's really easy to do so okay. And a while ago you also saw that it's already underlined with that red line at the bottom . So it's already it wait for you to see right away that there's something wrong with your spending and grammar. Okay, now there's another thing that's important. ISS for word count. So let's say you were writing a blood article and you're after a specific number of words that he could just quickly check it. Just click word count, and it tells you how many words are there in the document. Right characters. Cheddar, in case I want were good. That's close. That another one. This detests hours. So it's a handy way for you to find similar words to the one that you've highlighted. For example, let's say we want to change this question with another work, okay, with another similar words, so I just double click on it. Hi. Let it go to to Cyrus, and it's going to show you a new immediate selection off words. So we have curry inquiry, right? Interrogation requested. Meant So you have to say we're happier inquiry, so I'll just click on this Go for insert. And now we have first Korean here. So really nice way. If you get stuck with words, if you're looking for different but similar words, okay, then this will be very handy for you. So there's a lot of more options over here, right? You have trapping of changes if you're having multiple people working on the same document that it's easy to track changes. Okay, We'll also have translation of languages as well over here, right? And then also for reading aloud for speech as well. So it's a nice way. If you want to proof, read your document just to have it read aloud to you. Okay, if it's a lot of speech, for example, that you just want to hear it out loud,
9. Layout in Microsoft Word 2019: Now let's talk about using the layout tap. So, for example, if you want to change the margins or spacing off your document, then you could do that over here. So let's go to lay out. Let's go for margins. Let's say this is the normal. Okay, this is what we have right now. One inch for the top, left bottom and right. That's if we want to make it more narrow. So you just select in our margin over here and you have this document, OK? So you could see the margins are now smaller. Okay, so we have wide swell, okay? It's gonna look very differently. So let's go back to normal. And another thing is, you could also change the orientation off your documents. So, for example, this is portrayed right now. Let's make it this one like landscapes. I could just change it quickly over here. Okay, so let's keep it this landscape next thing issue could also check the spacing off your document. So, for example, let's say we select the four questions over here, okay? And let's say we want it to be double space because right now it's single spacing, So you just select this paragraph over here. Okay, let's expand this right now and you could see the the lance basing. Let's change this to double. Let's go. OK, OK, there's a lot more options, but we'll stick with this. And now I could see that this four questions over here are now lips. Just undo that. They're now double space. Whatever you've only selected or highlighted on King and then make some changes with the options, then that's the one that will take effect on.
10. File Options in Microsoft Word 2019: next up. It's about file options. So let's say we're happy with this one, okay? It's not exactly the best document in the world. My let's say we want to save this and we're good with this. So let's go to foul tab over here. Let's go to save, okay? And there's quite a number of options over here. So, for example, you have the browse this PC. Okay, If we have recent sections that you want to say, that's perfectly fine. You have one drive. Okay. If you wanted to upload this to the cloud, let's just go for brow. So I'll just look for a location in my computer and let me just say this straight up, OK? And I'm actually saving this inside the calmer role folder. Okay, so let's say this is word. My first word document to go for safe right? Once we're good. Okay. What you're gonna be seeing a swell for adoptions is aside from saving for the final time, you can also go for print, right? So you have a preview off your document over here again. If you're happy, then you just go for a print and you can make some changes a swell. Let's say you want it printed out black and white or colored. Okay, you can make those changes as well. But another cool thing with Microsoft Word, it allows you to export this and straight into a pdf document. So if you want to share this with another person and save it in a pdf format, it's really easy to do so So just go to export and then select create pdf. So if I said like this and never just save this ass, Pdf okay, from word document, it's gonna open up a swell once I go publish its click on that and you're going to see the pdf documents straight the way over here, which is really nice to straight up from word, nothing fancy. And then once you're good with this one, what we'll do next is will close this document and see how we can reopen this from the one we just say
11. Closing and Reopening in Microsoft Word 2019: Okay, now we're good with the document. We've already saved it so we can close this and then let's reopen word and see what happens next. So I just select Microsoft Word right now. Okay, Office 2019 and could see on the left side. Over here. We have the recent section. Okay, So you've seen here that there's them my first word document that we could select, and then you could quickly open it from here. Okay, But if not, then you just go for the open, other documents, and then just look for your for a document. But here's one important thing it's gonna show here, all off the word documents that you've opened over here, right? It's just gonna arrange it in chronological order. But let's say, for example, there's one document that you feel that it's gonna be important for you, and you're gonna be opening it frequently. And what you can do issue Just select this pin over here, right? If you select the pin, it's gonna be having a pin section. And regardless, on when you have opened it or not, it's always going to be there. So it's like having it on priority so that it's very accessible for you at the beginning when you open word. So if you have frequently used documents, Okay, make your top five documents or such. You could just have them pinned over here so that just one click and now you have your document open over here.
12. Bonus Tip - Dictate: Hi, This is Bryan Hall and
we will be discussing all about Microsoft Word is
advanced topics and features, and we will have a lot of
fun exploring them together. So what I have right now is
Microsoft 3654 word, okay. And then I just have a blank
document open with me. You will be surprised on how much the new features that are coming out with
Microsoft Word right now. So first things first I
want to share with you is all about the
dictate features. It can pretty much access
it straight from ALL. And Daniel just jump
over over here on their voice and then dictate. Dictate is pretty
much just converting your speech for your
spoken words into text. You can see that it's powered by Microsoft speech services. And let's just enabled this. Hi, how are you in case? Now it's recording.
There you go. That's really cool. There we go. Okay, so I'll just stop this. And you can see
that it's also able to autocorrect itself
as it goes along. And here's my speech, so that's really nice. So for example, if you have a report or a speech
to write, for example, and you're more comfortable
when it comes to adjust, speaking it out loud rather
than typing it altogether, then this would be a
perfect tool for you. It's fairly accurate
from my experience. It's also best for you to
just go to a blank document, hitting the dictate button, and then just see on
how it works for you.
13. Bonus Tip - Convert Image to Text: Now let's talk about Microsoft Word being used asset tool to convert images that contain text into real
inside the document. Because I've encountered
personally a lot of situations like
scenarios wherein I have text inside the
image and then I want to use step text for like maybe a report or maybe a
document that I just wanted to have it typed out and then
I can modify it as needed. The problem with
images like this, if you are unable
to just copy-paste. So you can see I'm trying
to click right now, but I couldn't get
the text from here because or it's just an image. Okay, so one little
known feature in Word, it's able to convert
images to text. We're gonna be using like
a workaround for deaths, so to make it possible
inside words. So this is our image. I have this copied right now. You can't just copy this and
let's go straight into Word. So what do we are going to
be doing is we're gonna be leveraging the PDF
functionality inside words. So because word is able to
open PDF files as well. And then while it's
able to open that file, when we have a PDF file. After that inside the PDF file, if it has images inside, then it's able to convert it from image to text for you so that it's able to make the PDF editable
inside Microsoft Word. So we're off to be able
to do this step-by-step. What I'll do is let me just
paste right now the image, you can see this is an image. There's no way for me to
copy the text over here, the description about the book. So what we'll do
right now is okay, this is pretty
much our document. It's looking good. And then what I'll do
is just go to File. And then let's just save
this or export this. It's a PDF file. Okay, so we're gonna be
creating a PDF file right now. And we will be saving this
inside the demo folder. And let's give this a name
as PDF book description. Okay, so now we have this PDF file where it is able to convert this
with no issues, is not able to save this one other this
niches create a new file. Let's just work from here. Once we're inside, I'll
go File and then Open, and then let's look
for our PDF file. So let's just go to the folder
that we had a while ago. This is the PDF book, a description file that we
just created a while ago. And let's just open. Once we open this
Word, thus its magic. So it's just gonna say
that you wanted to convert this and this may take
alone, that's fine. Just go okay. Where does now doing its magic? And you could see
that it's able to convert the text
inside the image. And now it's selectable text. So you can just go and
modify this as theta. And there's no need for
you to just look at the image and then type
all the words one by one. So that's a really cool
feature if word, yes, it might take a couple of additional steps where you need to save it as
a PDF file first, but imagine the number
of keystrokes that it has saved you from typing
all the words one by one. It also won't be
like a 100% perfect, but it's able to
do its best job. So for example, over here, you could see the sentence. It's somehow split over here. So you can just make a
couple of modifications. Let's say I don't need
this anymore and you could just delete
the entire table. And then you have all of
the texts in one place. So I could just see
there's gonna be some minor mistakes like
this one over here. Capitalisation is incorrect, so you can just make
some minor changes. But the best part, everything is now editable right inside Word. And another cool thing, right? Because it's able to determine, okay, this one, I cannot
convert this to text. It just retained
this as an image. But for the rest of the selectable text
that I have right now, it's able to interpret
it correctly yes, texts and then have it ready for you to be editable in Word. So give it a try.
14. Bonus Tip - Drawing Tools: So Microsoft Word also has a lot of growing tools
that we could use. Where it's like you have
a whiteboard right now, or you could just draw
on top of your document to give it more
life to the case. So for example, over
here to be able to access all of these tools, you just need to go to
draw inside the ribbon. And then we have
different drawing tools and let's go over that,
their friends options. So for example, we have
our pen over here, wherein if we open the options, you could just change the thickness and then
you could just also change the
color for depend. There are a lot more options
that we can play with it. Let me just, It's growing it. And let's say I wanted
to be ticker pen. So let's just draw a
Smiley face over here. And there's another pen aswell that you could just
change the color. Just a round with it. Here I'm just scribbling
with my work of art. Then there's also the
highlighter option. So same options as well that
you can just play around. And let's say I
just wanted to make this color liked
alien over here. Now it's colored green. And you can just play around with the different options
for drawing tools. And there's also an eraser. For example, if
you weren't happy with specific pieces
of your drawing, you just click on it and it just gets erased all together. So that's pretty
much for the eraser. Another cool thing, AS there's also the option for
an ink to shape. So let's say you're going to
be drawing specific shapes. So let's say I have
this square over here. I've just doing a best effort. Once you release your mouse, it just snaps into
a perfect shape. It's able to determine, not just scroll down. That's saying, let's just
try a different shape. Say at one triangle,
there you have it. How about a circle? Really cool. And you're just able to form shapes with not
much of a problem. That's pretty much
for ink to shapes. Now, for intimate
that say I'll just select that option
so you can just go to Convert and then
select intimate. And if you work with a lot
of mathematical equations, let's say you are making a lesson plan format or just want to write
different equations. I've been through the experience wherein it's pretty
hard to type out, let's say x-squared
plus y-squared. Because the different
powers, right? Sometimes I just
fumbled along on work and I type out the
exponential powers. Or for example, if I have
logarithmic functions, then there's gonna be some
challenges where it pumps too, because if it doesn't come along as normal typing
into the keyboard. So this is where the
ink to pump Sandy. So for example, let's say I'm
just typing out x-squared, just doing my best
effort when it comes to writing it out, let's say equals 50. So you could see
that Microsoft Word was able to identify on what I was trying to type out a write out x-squared
plus y-squared equals 15. The best part is there's no
need for me to find out on how can I type the
to an exponent. And once you're happy with
this one, just go for insert. And once we have inserted, let me just zoom in a bit so
it could just have a look at the equation and I'll just
move this out of the way. And there you have
your equation. Read easy to type it out. Now let's go back to Draw. And then another practical
use that you can do with the drawing tools is, let's say you want to sign. So let me just make this color red and then you want
to sign the document. And since I pipe like this
dot over here and it will remove that and let's say you just want to sign over here. Okay. Hold on. I still had the
ink to shape here. So let's just say
move on to this part over here and then let's say you just, this is
by taking Sure. Okay. So this is my signature. And the cool thing with
this one is you can also do an Ink Replay. So let me just say select
this and go for encrypt day. You can just pay it out on how it looks like from start to finish when it comes to creating this specific drawing over here. So these are the drawing
tools you just play around and have fun.
15. Bonus Tip - Icons Photos and Illustrations: So right inside Microsoft Word, there's also the
option to be able to insert icons inside
your document. And the best part is there's no need for you to
build Google or just search for
Icon strike because it's built inside
Microsoft Word, you're able to search for
icons and then insert it straight into your document. To be able to find this, you just go straight to
insert under illustrations and then we have this
like icons option. So let me just select this
and right hand side here. There's like a lot of
icons that you could use. And you could see that as a
Microsoft 365 subscriber, you have access to the full
library of creative contents. So which is pretty nice,
it's already included. So let me just jump over to a lot of like
categories over here. And let's say we want music. I'll just select music. And then I'll just
select a couple of icons that I would need
for my document. So once I have that selected, just go for insert and able to use your icons
like right away. So you can just move
them or just do it. But what I'll do
is let me just go back to the Icons Option again. Let's see what other
options do we have? So there's also images
that you could search for. This is pretty much part of
the the word application. So that's pretty cool. Let's say just go
for the computers. And then there's a
lot of stock images that he could use to
enhance your document, then that's already part
of your subscription. So once you're happy to
set up a couple of images, you can also insert them straight into your
Word document. Now let's go back again. There's a lot more options
that we could use. So let's say how
about cutoff people? So cut-off people, you
have specific pulses of people where you want to make
a point to your document. Are there certain sections that you want them
to be emphasized? So we have people for
actions and motions. And there's quite a number of different people
that persons that you could use that would best illustrate your points
inside your document. So just picking out
there and there's even like boards over here that you can emphasize
specific texts. We also have speakers,
so stickers. If you've used like social media applications
or communication apps, then pretty much the same thing as you would see over here in K. We have the cat as flow. Just have different stickers
that YouTube's use. So just try a couple over here. And it's just going to download
and put a straight here. And I've been happy
cutoff person that was selected from a while
ago and you have your cap, that sticker right now. So let's just see if there's some more options over
here that we could use. We have illustrations as well. Have a quick look, let's
say for education. So pretty much like
graphics that you could use right off the bat. So that's really nice. And the best part is you are not limited to categories
if you just do for quick search inside. So if you could have
C Next specific, then you could just specific
item that you could just go for D, broader categories. So it'd be able to
find illustrations. So same thing applies
and just select which one's interests you or you would need
in the document. Just select them
and go for it, sir. Then the last one would
be card and the people. So let's have a quick look on what actions that you
could use over here. So you could even put
different emotions. There's even bodies to break. You just put the faith
right next to it. And it's just really fun, fun way for you to just
give life to your document. So there's just a
lot of options. And you could just have
a quick look and then explore and bind the
different images together. Come up with something
really cool.
16. Bonus Tip - Insert Videos: So let's talk about inserting videos into your Word document. So Microsoft Word right now, it's not just an emitted detects pictures
or illustrations, but you can now put
videos as well inside. So what I have right
now is I already have a YouTube link
copied to my clipboard. So you just go
straight to insert media and then online
videos and select that. And it's going to ask for
the website link for you to be like we're gonna
be pasting it in here. I just press control V and
then I'll go for insert. Just like that. Then you now have your embedded video inside
your Word document. And you can just continue
adding videos asks you see fit.
17. Bonus Tip - Screenshot Into Word: Now let's talk about using the screenshot functionality
inside Microsoft Word. Yes, you heard it, right? I know because previously
what I used to do is I always go to a different application when it comes to
taking screenshots. But right now, word has it built in straight into the
Word application as well. So if I just jumped to Insert, and then you would see
under illustrations, there is a screenshot
option over here. If I click on this,
it's gonna show me the available windows that I wanted to take a screenshot on. Or you can just go to
Screen Clipping, this one. It's gonna go straight to the previous window that
you have been working on. And then from there you can take a screenshot of it.
So it's really cool. So I'll just click on this. And I've been working
on this image just a while ago, this
specific picture. And then let's say I
just wanted to take this specific portion of
whatever is being shown to. So I'll just drag and
then if I release it, then there you have it. I immediately have my
screenshot and then you could just treat it as
any regular image. And that's really
cool because you can just do this over
and over again. Just go back again to Insert and then go to screenshot
and then take another one. And it's gonna be important straight into your
Word document.
18. Bonus Tip - Compress Word Document: Now let's talk about compressing your Word document with
one quick and easy step. So if your Word document has
a lot of images like this, so it's just like scroll down, you're gonna see
multiple images. And when I was working
with books like this, what happens usually is there's gonna be a lot of
screenshots inside the book. The file size, it just
like gross rapidly. So one quick way is to
be able to go to File. And let's go to Options. Then I'll just jump
straight to Advanced. And then let's just
scroll down, oh, the way to image
size and quantity. So there's gonna be
three settings that we can modify here to save space. And you can also check first, do I applied this
new settings to all new documents moving forward are just too a specific documents.
So it's up to you. Then this one, this
card editing data. So for example, if you
crop like specific images, you edit them, then it's
going to delete the data. As I mentioned over here. It's gonna be used in restoring
to their original state. Because if you've cropped
a specific portion of your image, then you want, let's say in the
future you want to restore it to its
original state, then you would need
the editing data. But if not, then you just take
this and then save space. Another one is
compressing images. So by default, right over here it might
setting right now, it's not tick, so it's
going to compress it too, whatever the fault resolution that I have specified over here. So the good thing with this
one is that it's up to you. You just play around with
it just to see that, okay, if I use this
specific resolution, is like the target
quantity that I'm after. But for example, if you
can bring it down a bit and it's still good to your eyes or to
your requirements, then you can say
even more space. So if you just bring it
to a lower resolution, that you would save more space when it comes to
your Word document. Then once you're happy with the settings that you
have paste in here. And then I'm okay with this
one and just click Okay, and you should be good to go.
19. Bonus Tip - Save Word Document as PDF: So now let's talk
about exporting your Word document into
the PDF file format. So you might be asking why do we need
the PDF file format? So for example, we have this multi-page Word
document wearing. We want to send this to our client to be able
to have them read it. Like the easiest way to do this is to send this
in the PDF format. Because for example, if
we send this in the dock, like Word document format, you would still need to consider that you
have the Word app. That's we have a
specific app that With enabled him to open
that document. But with a PDF file, it's fairly universal
for Lotvall phones, tablets, laptops were in. They'll be able to just open it right off the
bat because it's a widely used file
type, which is fly. The PDF file is a good choice
to be able to do this. It's very easy to
export this from Word. For example, if you are with this document,
the business plan, you have finished making the changes and
this is good to go. What I'll do is I'll just
go straight to File Export. Then there's the creative
PDF document option. And I'll just it on
the create PDF bottom. Once you select it, it's just gonna ask you, okay, what is the filename that you want this file to
be or to PDF files, say this, this plan PDF, where good with this one. And then we have
couple of options. There's also the option for open file after
publishing so that you can have a quick review of your PDF file if
everything looks good. And then you can
also select what is the optimization is a
standard file format? Or are you after the minimum size that
you want to happen? But if size is not
a concern to you, then it's okay to kill
the standard election. Once you're good, I'll
just click publish. And you would see
at the bottom part that word is now working
with the different pages, is publishing it as a
PDF and you can just see it increments through
all of the patient numbers. Once we're done, you can see the PDF file opened
up right now, and I can just scroll
down and then have a quick review on how
the PDF file looks like. This is the file that
you can send it over to your science or
whatever, who needs it.
20. Bonus Tip - Open PDF in Word: So let's talk about one of
the cool features of Word, which is being able
to open PDF files. And then once you
have it open in Word, you can make changes to it. And then it's up
to you on letter. You want to save it
as a Word file or export it to a
different file format, even back to the PDF. Okay, so that's one of the cool things
because over here we have this PDF file
that we have created, Let's say this business plan. And let's say that somebody
gave you a PDF file and then you want to make
changes to it or make some minor revisions. To be able to do this,
you can use Word to open the PDF file and then you can start working straight into it. But let's have a look on
how well can word convert this PDF file into the Word document because there's gonna be
a lot of images. And then we have texts as well. Let's see if word is smart
enough to be able to detect this elements and then let
us edit inside the Word app. So what I'll do is let's just jump straight to where
that's going to be our PDF file that we're gonna
be importing into words. So let's just go to open. And then this fine,
the specific file. And it's going to be this
fun business plan that PDF. Once I've selected that, where he's gonna tell me, okay, I'm gonna be
converting this. This is going to take awhile. Are you okay? Pick okay. That's like
leftward do his tragic. Now. It's pretty quick, but it's not going to be like a 100% perfect. There's gonna be some minor
tweaks that you need to make. Like for example, there's
a blank page over here. But the cool thing is, where do you still able
to detect the images? We have the images over
here and the texts as well, although somehow the table of
contents On this next page, but the cool thing
is all of the texts, they are intact and see
the text over here. You can just make some
minor changes to retain the original formatting
if you want it to be looking at close
to the original. And then after
that you can start making the changes
inside your document. And then after dad,
once you're done with the changes and you
can now export it back to a PDF or save
it as a Word document so that you can continue
making future changes to it. Okay, so that's pretty
much it for opening PDF documents in
words so that we can add them as well
right off the bat.
21. Bonus Tip - Resume Assistant with LinkedIn: Okay, So right inside
Microsoft Word, there's also another
feature that we call resume assistance. So it's gonna be helping
you when it comes to filling in the gaps inside your resume and
making it more like extending out from the crowd so that board a potential employer, then you can use task
specific details. So when I say details, it's very easy to look for
that It's under reviewed. Just go to the
Review option over here and then there's
this under resume. There's the racial
may assist them. This is actually
powered by LinkedIn. If I select Resume assistant, then it's gonna ask for the specific role
that you are in. So for example,
I've already typed in social media manager, but you can buy off a
different role and then see what details that
the LinkedIn option is gonna be giving you. So for example, if
I just scroll down, there's gonna be some work
experience examples staff, they're going to suggest to you pretty much do you
have a lot of data so you can get some ideas on what do people used
to believe, right? Okay, and then maybe
you can improve them then so that you
can stand out better. But pretty much it offers you some ideas to use as
a starting point. When it comes to filling in the details off your regression. They could see there's some
different descriptions of this specific job role. You can even see like
detailed stack, okay, I have achieved 11.5%
organic reach, right? So there's gonna be numbers. And you can also see
what terms are being used when it comes to
filling in rationing. And then there's
also going to be top skills for that
specific role. So you can also see on how can
you frame your resume when it comes to focusing on this specific skills that
employers would look for it. Then there's
different articles as well there to help you. It comes to writing your resume. And there's even suggested jobs that if you click on them, it's going to bring you straight
to the LinkedIn website. So it's really cool
because there's this options that
you could try out in case if you need some inspiration when it
comes to writing your resume.
22. Bonus Tip - Transform Document to Web Page: Let's talk about converting the Word document that
we have into a webpage. So you might be wondering, okay, a webpage gets sounds
overwhelming or technical. But the cool thing is Microsoft
Word has integrated with another app called Microsoft Sway to do the
heavy work for us. Okay, So it makes
it really seamless. And we're gonna be doing this right now for our
specific business plan. He could see that
there are a lot of texts and there's that image over here and also a lot of numbers as well
inside our document. It might be boring to
our target audience, but the cool thing
with Microsoft Sway, when it converts
it to a webpage, it will add life to it by adding some interactivity or graphics
and transitions to it. So let's have a quick look. What we can do is just
go straight through file and then I'll just
go to Transform in here. Once we select that opt-in, There's that option of
transforming to a webpage. And you can see that, okay, transforming a document
into an interactive, easy to share
microsoft Sway webpage that looks great on any device. So even see a preview over
here right off our document. There are a lot
of styles that it offers right out of
the box for you. So it's up to you on which one would best fit your document. But right now what
I'll do is is select the default one and I'll
just click on tense form. So just like that, it's gonna be uploading our
document into Microsoft Sway, and it's gonna do
the work for you. And the purpose
of this tutorial, we're not gonna be doing a
deep dive into Microsoft, Sway on what you can do with it. But I just wanted to share that. I'm sharing with you
the resulting webpage. And then you can do some
basic customizations to it, okay, in case that it's not the perfect translation off your a document into a webpage. Okay, so we're done activity and you can see that this
is going to be our webpage. And that's just scroll
down and see, okay, there's our business plan
and there's detected inside. You could just quickly
review this and you'd see the animation of our
executive summary header. So that's really cool. That wouldn't be possible
inside the document, but over here it's very easy when it comes to
creating our web page. And it has even highlighted specific text over here
that it sees that, okay, maybe this is important to emphasize
for the reader, then it's up to
you as well, Okay, if you want to make
changes on what gets like, hide it for a specific
portions of texts, insider document, that's
really important. I've just scroll down. We have our headers over here. There's gotta be the texts
as well that pops out. And if I scroll down
to a market analysis, then you could also see
the images over here. So there's gonna
be some animated, like animations or
transitions to make your document like me more
interactive to the end-user. But the best part
of this one there's gonna be navigation as well. So I'll just gonna be
located over here. I'll just click on
it. And you have your different sections
of your document if you just want to the jump
from one section to another. So that's really cool. That's already part of the
webpage for navigation. There's also going to be like basic editing that you want to make changes
to your definite. It's going to be out of
scope for this tutorial, but rest assured that, okay, If it's not like the
expected output or perfect output that you want and you can
make changes here. The best part is sharing this
document like your peers or to whoever it's
gonna be knitting this so that you have
your web page ready. It's just one click. So that's the best part
and you can share it to the people that need this.
23. Bonus Tip - Translate Word Document: Now let's talk
about being able to translate from one
language to another. Inside of Microsoft Word. Microsoft Word is really cool because it gives
you the capability to do this out of the box
right inside the application. So for example, let's say
we have some texts over here like Hello, how are you? And then let's say I want to translate this to a
different language. It's very easy. Let's say
I'll just highlight this. And then let's go to review. Under languish, there's an
option called translate. Now when we go for translators, pretty much two selections, we have translates selection
or the translate documents. So if you just want to translate a portion of the text inside the document and
then go for this one. It's pretty much the
entire document, which is really handy. If you have, let's say
you want to translate the entire document from one
target language to another, then this would be
perfect for you. Now, it's going to be using
Microsoft Translator. And then I'll just pick
translate selection. So one thing is, this one is smart enough to detect on what is
your source language. That's really cool,
but if it's incorrect, then pretty much you can
just change this quickly. And then let us say,
I'll just select the target language to say, let's go for Spanish. I don't know how to
read this to be honest, but let's just say you're,
you're good with this. Just click Insert. And there you have it. Pretty much your translated texts right inside
your Word document.
24. Bonus Tip - Dark Mode: Now inside Microsoft Word, there's also what we
call as the dark mode. So it's pretty much the team that's available inside Word. So for example, if this whitish looking interface
is a pain to your highest, don't worry, there's
another team that's a good alternative and
I'll show you quickly. Just go to File and then we just jump over to the account. And then inside that
you're going to be seeing the office
teams over here. And there's quite a number of selections that you
could just try out. Colorful system
setting, the white, which is what we're
using right now. And there's our dark
mode or the black. Now, I'll just select black. And if this is a lot more
pleasing to your eyes, then go for it because
it's a lot cooler as well. Okay.
25. Bonus Tip - Editor: Now let's talk about the editor feature
inside Microsoft Word. If you're like me and use
the spellchecker before to just quickly check on any spelling errors that you
might have in your document, then you would love
the editor because the editor is
spellchecker on steroids. So cases like the next
level that you could use. So be able to do this. It's very easy.
Just go to Review. And then under Proofing, you have the editor
option over here. So we have our document right
now, our business plan. And what I'll do is let me
just scroll down over here. Maybe I'll just type
some texts like Okay. I do not understand. Now, is this in call? Correct? Okay. So I just type in
a random sentence with a couple of areas and then let's just have a quick look on what will happen once we
select the editor. Select a net. It's gonna give me a score. Pretty much if you want to
get it as high as possible, as close to a 100%. And the cool thing
is there's a lot of options that it's gonna
be checking for you. So first things first it, right, so you just go for
the spending option and it's gonna give you
suggestions for one-by-one. So you just need to select
this one for example. And it's going to make
the fixed for you now and then you just do
it over and over again. That's for the spelling. Now let's jump over to grammar. Grammar is slow. It's gonna check it slow for you and give you a
couple of suggestions. The really nice thing is not
only limited to spelling, but there's a lot of things that it can suggest for
you, for example, and can even suggest refinements like for clarity, conciseness, even punctuation,
and your vocabulary, like your choice of words, It's gonna be really nice and
let me just quickly check. Is it going to check it
against former writing? Because it really depends on what type of document are
you like writing out? Or is it a professional
document or cashflow cashflow letter that
you're writing to a friend. Or even mentioned
that creative writing because it's going to make
different suggestions depending on the
type of document that you're gonna be
setting over here. And most probably the
refinements would also differ. Another thing that
I really like with the editor is there's
the similarity, which means that if
you want to make sure that you have texts
that's not plagiarized. Or if you want to add
the correct citations, then this is perfect because
it's gonna be doing, Let's click on that and
then it's gonna be doing a quick search online based on the contents of your
document and then it's going to note it out for
you so that you can review. So it's able to detect 71
similarities across the web. And you can review it one
by one by clicking on this. The thing is, since I
used an online template, this is an online template, this business plan
from Microsoft Word. There's gonna be similarities in the web because this is a free template that you
can get inside work. So for example,
if I select this, it's gonna go to the
first similarity is gonna tell me,
Okay, we're hip, able to find this
specific taxa CFO on what website do you want to add it as a citation
or do you want to make fixes because this
might be plagiarize. There's also a nice way because if somebody has given
you a document, that is an easy way
for you to check this an original work
or is it something that's been copied
somewhere else? So that's a really nice feature. And then you have
documents stats as well. Okay, so it's gonna
say that, okay, do you want to continue
because it might take some time and it's pretty
much the caliph words, the averages as well for
the number of sentences. And it just gives you a
nice readability rating. If, let's say you have a
specific target audience, then you just need to make sure that this meet your
expectations or not. Now, that's for readability, the insights over here and
then pretty much to feedback. This is a really nice way like a one-stop shop
inside the editor that you could just go
through and make sure that your document is
up to standards.
26. Bonus Tip - Focus Mode: Okay, so we're going
to be discussing about the focus mode inside
Microsoft Word. So one thing that I really
liked with word is it's not just limited to being
a document editing tool, but it's also a good tool when it comes to
reading documents. So for example, if
you just want to read this business plan
that is 18 pages long, you just want a
good night session where you just read
the entire document, then the focus mode
would be perfect for you to be able to access that
you just need to go to view. Then we have immersive and then we have the focus options. So it claims that it's
gonna be eliminating distractions so that they
can focus on your document. So let's see. I'll just click on it
and pretty much it removes everything
except the document. And the really nice
thing is you could just start creating so no disruption, snow fast, and you just focus on the contents of the document. However, it thus
provides some options, so I just pick on this and
then we have the backgrounds. So for example, if you don't
want a black background, you could just change
color as well. Then there's also the
site-to-site page movements. So for example,
let's go back here. I changed the color and then
now it's side-to-side so that he could just move
across the different pages. So it's like flipping
through the pages. And then if it's like the perfect mode for
you, then go for that. But if not, it's very easy. You just go back here
and then select the vertical and you're
back to the bigger, like a zoomed in option. So that's pretty much
for the Focus Mode, very easy to use.
27. Bonus Tip - Immersive Reader: Now let's talk about
the immersive reader inside Microsoft Word. So if you use Focus
mode before and if you want to bring it
to the next level, then the Immersive Reader
is perfect for you. Because Microsoft Word,
what it does is it has a lot more options inside the Immersive
Reader function, the feature, and
then it's gonna help you when it comes to
reading your documents. So we have this
business plan document, this 800 page document, and to be able to access this, just go to View. Then you have the
Immersive Reader and let's just click on it. And let's see what are the different
functionalities that it has in store for us. You're gonna be seeing a
different kind of view. So we have a lot of options
like the column weight. For example, let's say you
want a moderate whipped. So that's really easy. The cool thing is any changes
that you're seeing here, it's not being applied to
the original document. Because what's happening
is that it's giving you a different type of viewing experience so that
it helps with your reading. But it's not gonna be reflected
on your original doctor. Now I can change the
page color as well. Let's just change this to a
different color, for example. But if you're happy with
that, Let's stick with that. Then there's also Line Focus. So for example, if
you really want to laser focus on
specific lines. So you can see that I've
selected three lines over here, and let's say
five-ninths, right? It's gonna be highlighting
five lines for V and then the other texts
would be out-of-focus. So that's pretty much later focus on what I'm
reading right now. There's also text spacing. So if you want, if, let's say I've selected
this and if you wanted the text to be more, there's some width in
between the letters. Let's move that. There's the other
option of syllables. So if you want like the worst, be split on where the
syllables would happen, then that's another option. I think one of the best it would be reading aloud,
so let's try that. Introduction. Creating an
extensive business plan is unnecessary for most
businesses to get started. However, creating a short
business plan offers several benefits that more than outweigh the investment of time. Okay, So that's really
cool because it's able to read the text for you. And then aside from depth, you can also change the voice selection and the reading speed as well
on the settings over here. So that's pretty much it
for the Immersive Reader. So you can just close
it once you're done. But it's really cool
that you have this features inside your
Word application.
28. Bonus Tip - Insert Page Numbers: So now we have this document over here, this business plan. And let's say we want to insert page numbers into our
document inside Word. So the cool thing with word, it's very easy to do this. And the nice thing is, it allows when you enable this, it allows patient numbers
to be added or removed automatically depending on
the state off your documents. That's just go
straight to insert. And then under
header and footer, There's the page number option. And if you select that, it's going to ask it, where do you want to paste that? And let's say we want to place it at the
bottom of our page. So there's quite a number
of options, so hang on. Which one do you want to
use? And it's up to you. I mean, you can just scroll and have a look at the
different options on how you want your patient
number to be formative. But right now, for example, let's say I wanted
this accent bar over here, and let's
just select that. You could see that let me just close this right now so that you get to
have a better look. You can see at the bottom
right now it's very easy. It's just a couple of
clicks and you have your patient number
over here because this is the format that
we've selected. If I scroll down
to the next page, you can see this when it
comes to editing this because let's say you
wanted to make changes or you want to remove
this altogether, then you can just
double-click on this. And pretty much the header and footer
options would show up. There's quite a number of
different options that you can make changes
because it's not only about the page numbers, but you can also add
more elements or information on your
footer because pretty much what you
have inside your footer, it pretty much it would also
reflect if I jump over to the next page and that will
reflect as well on this case. So just have a look as well. You can change the
formatting as well or how the patient numbers
displayed over here, the options inside the
header and footer tab.
29. Bonus Tip - Side to Side: So let's talk about the
side and side view inside Microsoft Word because
word has a lot of options depending
on your needs. And one of them is okay. If I want to see different, like multiple pages
side-by-side, then it's very easy to do
so one way is to do it via view and then go to Page movement and then
select side-to-side. Now when you have
site-to-site over here, then it's really cool
because it's pretty much sleeping from one
page to another. But for example, let's say
you want a better view. You want like okay, the text is too small
for me to read. Then you just need to go to over here on the
lower right corner, there's something what we
call as the read mode. If I select this, then it's gonna be similar
to the side-by-side. But you can see that the text
is a lot easier to read. Pretty much it has like trying to fit in your entire screen. So it's really a reading
bullet for you, okay, so you can explore
this as well on your document when it comes
to your reading needs.
30. Bonus Tip - Thumbnails: Now let's talk about the thumbnail view because
one of the things, if you're working
with large documents and then you want to have a quick bird's eye view of
the contents of the document, then scrolling from
one page to another. And that's gonna
take quite a while. So the thumbnail view is
really nice because it shows you all of the pages
like in a single glance. So be able to do this. We just go to View, right? We're still in the vertical
page movement right now. So the thumbnail option
is not shown here. So to be able to do
that, very easy, just go to the side-by-side
patient moment. I'll select that right now. Still two pages. But if we go to zoom over here, there's the Tom Neil option. So let's select thumbnails and you're going
to see everything. Pick me and all of
the eight pages. This is just 18. Imagine
if you have a 100 pages. So it's really nice because it just gives you a quick overview. You can in review and
see if there's like formatting issues or anything
that's out of place. One of the nice
things as well, Okay, if I want to jump over
to the financial pen, I can just click
on this and it's just going to jump
straight to that page. So that's really nice. And then okay, if I
wanted to go back again and then navigate
to a later portion, then you can just go
back to Tom nails mode over here and then jump on
this say to the appendix. But it's really easy
to just jump from one page to another by
using the thumbnails view.
