1. Introduction to Gmail: Hello students. My name is Emmanuel and I'm going to be a trainer for this Gmail productivity course. Everyone use Gmail high. Well, by definition, if we go to Gmail is a free email service which has been provided by Google. And if we are going to count to the active users worldwide, it is more than 1.5 billion. So this is one of the most popular email services. Now, Gmail can be accessed with the help of a web browser. And they have provided an official mobile app also, again, that is absolutely free. Gmail also supports POP and IMAP protocols. And through that, you can use it in the e-mail clients like Outlook. This is what the Gmail is. Now as I have told that everyone use Gmail, I've started using Gmail inner professional level from the last ten years. Once I understand all the features which is available in Gmail, life has become very easy for me. There are many features that need to be understand. Based on my experience, I'm going to share all the tips and tricks to use Gmail like a pro. So the training that you are going to go through is going to be completely practical. And to the point. Now the topics that we're going to cover, the first topic is going to be how we can work with group mean. What is you can do and undo send services. Second, once we have understand that, we will understand the importance of grant access feature means if we want someone else to have an access to our Gmail account without compromising crucial details, then we can use this particular feature. After that, we will understand how action button works. What is archive feature? How smooth and labels option walk. After that, we will be learning forwarding male and move to tab feature. Once we are done with that, then understand what is the use of vacation responder. Believe me, it is very helpful. Also viewed be understanding about all the options which are available in preview pen. And I will recommend feel the Gmail shortcuts also, which I'm using quite prominently. We will also understand how starred option work in Gmail. Also, we will understand few templates options. Now my personal favorite, one of the most important feature in Gmail, which is the filter option. We will understand that. Also we will understand how to apply signature. Finally, I use this option quite often, which is send bulk e-mail with the help of mail merge. Yes, mail merge is possible through Gmail and it is better than MS Word feature because here, you can do that attachment as well. There are many ways to do mail much higher. That technique that I'm going to show you is not going to incur any costs. It is time-saving, and it is very useful Also. These are the topics that I'm going to cover in this particular course. So let's jump into this visit for the video. Thank you for watching. Have a nice day. 2. Working with Group mail, Schedule and Undo Send Feature: Welcome back students. So in this video, we are going to understand one feature of Gmail, which can be termed as a group making. Now what this is being used for, let's say I want to make a group of, let's say friends. Or maybe Lexi prospect. Maybe let's say students. Why I'm making a group of all this, because in a single group there can be many contexts or e-mail ID. So rather than I'm sending them mean one-by-one, I can send a mail in a group. First of all, how to create a group. Our label, we can say. In order to do that from this screen, which is visible to you, we need to go over here. Here it is mentioned as Google Apps, so let me click over here. Now from here you need to go to contacts. The moment you will click on contacts because my Gmail ID synchronized with my mobile phone as well. So these are the contact list which are coming. But first of all, let me show you that how you can create a new contact if you wish to. So in order to do that, you need to go to this Create contact. And here I'm going to create contact. This is for individual creation of content and this is if you want to create a multiple contacts, okay, let me go to this. Create a contact on, it's asking for the FirstName. So I'm typing let say RT. Okay. And here I mentioned in the e-mail ID as let's say, I did it gmail.com. These are all made up. Okay, so now I'm clicking on save. This. I have created one on debt. Let me go over here and let me create another context. So here I'm mentioning, let's say Akash. Oh gosh, Fine. And here I mentioned in the email ID that is now here you can mention other detail if you wish to. I will write no my concern or show you how we can we can create a group so that we can send a mail in a single go. Okay, so I've done that and let me save it. Fine. Let me go to this on debts. So now here I'm in my contact list, so let's say I want to add party. Okay, that would be sufficient. So I'm going to do the selection like this. And here I can to the manager level option. And I can assign a label to this. Okay? But before that from here also you can create a label. But let me create a level At first. I will go to Create level, and here I'm mentioning that is a prospect. Let me save it. Okay, so I've saved it. Now, you need to do the selection of the context which need to be saved in a level. And you need to go over here, managed levels. And let's say I'm selecting this one perspective and click on Apply. This is very important. Now, RT e-mail ID has been assigned to the level which is prospect. I have needed another one which is, gosh, that also I want to assign to through, I'm going to select this and I'm going to give it prospect. Click on Apply, Done. Now once you have done this means we have created the proof. Let me close it. Now. Let me go to the composed of him. Now here. If I'm going to type prospect. So nothing is coming that isn't as being the this particular window needs to be addressed. So let me refresh it. Okay. So I've refreshed it now, let me go to combos. And here I'm dabbing prospect. Now here you can see the option prospect is coming. So if I'm going to select this in a single goal, this email IDs will be considered. This is how we can create a group. Now, let me show you another feature. We just do the schedule mean. Now here, this is the option to send it immediately. If you will click over here, the email is going to send immediately. However, if you want to schedule it, you need to click over here. And you can go for this option of schedules. And now when I've clicked over here, there are predefined a date and time which are coming if it's suitable to you, you can do the selection. However, human, both for this particular, often with this big date and time. And from here you can pick the date and time accordingly. You can do the selection as per your requirement. Let's say I'm going to change the VM to VM. You can do that. Now. You need to click on this schedule. Send. Okay. Sorry, I have not mentioned subject and other things. What does mail has been scheduled? Let me undo this. That's amazing that undo option was coming. But let me tell you that undo option was visible for just five seconds, means you have got the five seconds buffering time before you can undo the mail sent by you, or maybe it's scheduled by you. Now, this undo option or the timing of undue can be increased by tactics and how to do that. Let me show you this. In order to do that, you need to go to this particular setting option. Now frame from here, you need to go to this see all setting. Now once you are here, you need to scroll down. And here you will be able to see Undo Send. Now send cancellation period is five seconds. You may increase it up till 20 seconds or 30 seconds, whatever timing is suitable deal. Once you have done this, it is very important to save the changes. So you'll need to scroll down. And from here you need to click on this particular option. We just save changes. Now the changes have been saved. Let me go to this option here. Let's say I'm typing any e-mail ID. So I'm dabbing my own e-mail ID. I'm mentioning lives a test here. I'm mentioning that subject and I've send it. Now. Here you may see this undo option is coming focus, so this is how it works. Importance of Grant Access Feature: Welcome back students. So in this video, we're going to understand a very important feature of Gmail, which is grant access. Now before we get into the topic, let's understand that where it will be required, let's say many times. Or there can be situation where you have to share your Gmail credentials, like your user ID or password to someone else. Let's say your brand or maybe your colleague, or maybe your boss, so that they can have the access to your email and they can send a mail or they can read something. And for whatever reason. Now, you definitely don't want to share your credentials with someone. So in order to avoid this situation, there is a feature in Gmail which is known as Grant Access. Here. You are going to grant access of your gmail id with someone, but they will not be able to do any changes in the setting. Let's change the password. So how to activate this feature or how to use this particular pieta? Let's see. So in order to grant access to someone, you need to go to this setting. Now, go to see all settings. Now once you are here, you will have to go to this tab which is accounts and import. Fine. Now, once you are here, you will have to look for the option of grant access to your account. That's the option that we were looking for. Here is this option of add another account. Now click over here. Here you will have to mention the e-mail ID to whom you want to grant the access. Now here, I've lived to mention that in it. So I'm mentioning let's say that's the e-mail ID I want to grant access to. Now click on Next step. From here. This is very important. You are about to grant this particular e-mail ID access to a male, you will be able to revoke this letter means I can delete this formation. Also it has mentioned in order to complete this process, we need to send this particular e-mail idea confirmation e-mail to access to accept excess. After accepting access to your account, they will be able to open your account. Fine. So I'm going to click over here, send email to grant access. A male has been centered. Now, let me show you that how we can remove this particular option means how we can remove that particular e-mail ID from renting and access. Now here you may see this particular messages coming. You have granted access to your account, to this particular email id. This notice will end in seven days. No need to worry, this notice will end in seven days. However, you can remove the grand action anytime you want. Okay, so let me go to this particular setting, C all setting. Let me go to this account option. Now from here you can see this grant access to your account and this has been accepted. I left you can delete this. I'm clicking on Delete. And the access has been deleted. Take advantage of Action Button, Archive, Snooze and Labels: Welcome back students. In this particular video we're going to understand about action button. No action buttons are visible when you will click on this select option. Let's say I've done that. And now you can see over here, these are all action button, the one-by-one. I'm going to explain what is action buttons do. Now. First, this particular option is there, which is our time. Now what is the archive option? Archive is different from deletion means if you have deleted this particular e-mail id is going to be in the delete or trash option or tacky days. And after that it's going to be deleted permanently. But and delete, delete any particular e-mail ID over here. Now, what is this archive option outside? When you click on this archive option while selecting this particular male, then this male will disappear from Inbox and you will not be able to see this mill directly. Now, if you want to see this particular meal, the only option would be to search for this particular mean. And that will be visible once again, let's say this is the main Zomato, Zomato present 221. You can see this. I have selected this and now I'm going to click on archive. Now it has been archived. You can see that. Now let me search for the e-mail ID that is Zomato you can see. And that's the email ID which we have our type initially. Okay, So this how archive feature box. Now this is the option to report span. Let's say I'm clicking over here, then I can simply click on report spam. Also, you will make lip for this particular option which is reports spam and uncertain unsubscribe. So not only it will report it as spam mail, also, you will be unsubscribed. Now. Then you will report this as a spam immediately. Olga e-mail ID which you are getting from this particular domain will not be considered us. Rather, if you have done it around, let say, t times, four times and even more than that, then it will be considered us then also if you want to mark it as spam, there is another option. You can simply open this. Now after opening this from here also you will get to see this action button and you can apply the action button over here also. Let's say false pen. You can simply click over here to this report span. Now, here, if I will scroll, you can see there is this stem folder. Let me go to the spam folder. All the human individual mark as spam will be in this particular folder. Okay, and here also it is coming. You can see messages that has been spent more than 30 days will be automatically deleted. Fine. Now let me go for another option. Now this is the delete option, very easy to understand simply you can click over here and the male has been deleted. Next is this particular option which is marked as read. Right now this mean is unreached, that's the reason it is highlighted. You can come over here and you can click over here without even opening this particular meal ID, it will be marked as read. You can see that and vice versa. You may come here and you can click over here as marked as unburied. Now you wish to flick over mark as unread for email IDs, which you may consider important, even though you have read it, but you want to mark it, mark that are under it so that you can come and you can open that once again. Now after that, there is this option of news. Now this is a very important option. Let's say I'm clicking over news. Here is this option of defining the time and date. If you are not satisfied this with this time and date, you may pick your own date and time over here. Let's say today is 28 and I'm selecting, let's say Turkey. And I must select the time. That is a nine AM, and I've clicked on Save. Now you can see this particular similarity which has been selected. I'm clicking on Save and you can see it has been removed from here and it will go to this newest option. Now what will happen? How is it different from moving your e-mail ID to any particular folder or level. Once it will move to snooze particular folder over there, then the date and time which I've said that is of 29 of let's say December 09:00 AM at the point of time, the time which has which I've given, it will come back to inbox for the time being. It has been smoothed to smooth folder. So this is how this particular option can be used. However, if I want to access that particular mean, you need to click over here snows. And here you will be able to see this particular day. Now let me show you a few more options. The option of move to. Now, you can move this particular e-mail ID to any of these folders or labels which are over here. Here also, you can create a new level. There's this option of Create New. And also from here also you can mark this particular e-mail to any of these particular levels which are available. Now there is this checkbox means you can select multiple options. Also from here as well. You can create a new level. If you want to create a new level, there is another option that is, you may scroll down, click on More. Now from here also, you can create a new level. So let me click over here. So labels are nothing but just a folder. And in that particular folder, you can save e-mails. So here let's say I'm mentioning good, dean. Okay. And let me click on Create. Now, if we go over here, you will be able to see good deal. Level has been created. It's like a folder. And let's say this particular male is selected. And I'm going to click over here, move to all. I'mma go for this particular option also which is delivered. And from here, I'm going to select good deal and click on Apply. Now, here you can see it has been mocked and let me remove. It will remain in inbox, but it will be marked. Okay. Let me go to this option of good deal. And here also, you will be able to see this. But here only those emails which has been marked as good team will be visible. In the inbox. Also that meal will be visible, but you can see in front of it, it will be mentioned like this. Now here, one thing that you may probably say that this good deal is in gray color. It's not looking that great, it's not catchy. What you can do, you can simply go to that particular option because that's a good deal. And click over here three dots for more options. You can go for the label color, and let's say I'm selecting this particular color. Here you can see now it is highlighted in blue color. Now, if I don't want them to be in the inbox, rather in a folder, then I will not go for this particular levels option. Rather, I will go for the move to option two option you can move this particular e-mail to any of these folders, all levels, Let's say I'm selecting again a good deal level. It will be removed from the inbox and it will be available in this particular level only. So that's the difference. If you are marking it as a label, then it will be highlighted like this. It will be available in inbox as well as in that particular level which has been created. If you are going for this move to option, then it will be removed from the inbox. And it will be only available in the folder which you have mentioned. Okay, so these are the few options of levels in action button. Hopefully you have understood it properly. So in this video we are going to understand the many important features. The first option that we are going to discuss is forbidding me. Let's say for some reason you want all your mail is coming into this particular e-mail ID to be forwarded into a certain email ID. What the melody is of yours, let's say. And you don't want to open both the male. Rather you want to open a single lane where you will have the access to all the emulsions. So it's not about granting and access. It simply about whatever mail you are receiving. In this particular e-mail ID. You want to forward those email IDs into a, if you're new immolating, how to go for this option. So in order to do that, you will have to vote for setting. Then go for C, all settings. Now once you are here, you will have to go for this forwarding and TOB slash IM Ethiopian. Now here you may get to see this option of add forwarding address. Click over here. You will have to mention that e-mail ID to which you want to send all your mail to. And let's say I'm mentioning this particular e-mail ID. Then you will have to click on Next. And once you will click on this particular option of proceed, all the mail ids is going to be forwarded to this particular meal ID, which has been mentioned over here. A confirmation code has been sent to this particular immunity to verify permission. Okay. Now this is the kind of e-mail confirmation from Gmail you will receive. Here is the link. Please click the link below to confirm the request. You will have to click over here. And here it is coming. Please confirm forwarding name of human to DOD, month two dots or whatever mail ID you have given. Here and clicking on Confirm. And here you can see that it has been confirmed and the information has been successful. Now, whatever mail which are coming to the previous mail ID is going to be forwarded to this particular melody. Now once you have done all this money at times, you may see that males are not deadening poverty. The reason behind that, the by default format, the by default option because it's been selected over there is disabled. Let me show you what I want to say. These are the few options that you will have. Now, you need to scroll down and you will have to click over here. Save Changes. Once you will do that, then forwarding the top. I don't want to do that right now. So I'm selecting this disavowal forwarding option only. This how are the forwarding option of work in Gmail? Let's talk about a very important and small option. Let's say I'm going to this social tab. And in the social tab, this particular email, whichever received from Facebook, I1, this particular e-mail to come in my primary inbox rather than social death. So simply you can select this or you can move it like this, and you can move into primary like this. Now here you can see Conversation move to primary. Do this for future messages of this particular e-mail ID, if you will do yes, then it will work like this means then what's going to happen? Whatever email IDs prompt Facebook is coming to you that will become to your primary tab rather than social death. So these are, you can chase the tab of some particular domain. So in this video, we are going to see that how to activate the vacation responder. Let's say you are going to some place where you are not having the access to your mail. So you can create a vacation this fonder, so that anyone who's sending you a male, and if it's important, they're getting a response as per what you have saved. In order to create the vacation responder, you need to go to settings, then go for C all setting. Now once you will reach over here in the general section, you need to scroll down. And here you can see Vacation responder is off, so you need to turn it on. Vacation responder is on. Now the first day you can mention the date from which you are going on a vacation. Let's say it's 28th of December. So let's say I'm selecting 29th of December. Here you may select the last date also. If you have not made the selection of it, then it's going to be on till the time when you're coming here and making it off by manually. So you may give the last day also. So let's say I'm selecting the last day of January. So that's the vacation. Now here you can mention the subject that is out of the office. And here you can type them out of the office. Office. We'll be back by board of gen. If it's very urgent. Contact on any number you have given. I'm being any random number. Now, only send a response to people in my context. If you will take this option, then this auto responder or vacation responder will only work if you have received an email from someone we just saved in your conduct. If I uncheck this, then whatever mail you are going to receive, this Vacation responder will work, which is not a very good idea. So I'm selecting this one. Now, click on save changes. And the changes have been saved. Now, let's say you want to turn it off. Now. The date which you have mentioned, let's say here the date which has been mentioned is 3rd of January. So on 3rd of January, the responder will be off automatically and this will be selected. But let's say if you need to do it manually than simply unit to select it over here and click on save changes. And it will be saved. This how Vacation responder walks, visit for the video. Thank you for watching. Have a nice day. 7. Preview pane option and Recommended Gmail Shortcuts: Welcome back students. In this particular video, I'm going to talk about few features which are going to make your life easy while handling Jimmy. So let's say I want to access this particular e-mail which has came to me, not three alerts, so I'm coming. I opened it. I can see that thing go to inbox once again. Then I need to see this in Outlook. If you have wondered, when we click on a main in the right-hand side, or maybe in the bottom side, there is a panel which opens every time we did not do open an email in order to see what is the content in it. You can activate that particular feature over here as well. So in order to do that, you will have to go to setting. Now from here only you need not to go to the sea all setting. Just scroll down. Now, once you will do that, here you can see the reading pen option. Now, right now it is no split which has been selected. Let's say I'm going to select this right off. Inbox or balloon box option is also available. But right now I'm selecting this one and close it. Now this how it will look like. You can see in the right-hand side. Now you can manage this particular portion. If you want to increase or decrease any of the portion, you can do that. So this is how this split screen option works. I liked the most split option only. So let me select this. Fine. Now, let me show you another option which is how to activate shortcut in G-mail. So yes, in Gmail also, you can activate shortcuts and you can use those shortcuts. How to do that? Again, you will have to go to Settings. Now, this time you will have to go to see all settings. Now from here, you need to scroll down. You will have to look for the option related to shortcut. Let me scroll down a bit more. Here it is, keyboard shortcuts. Now, keyboard shortcut is turned off. I'm selecting this and keyboard shortcut is on now. Now let me scroll down a bit more and save the changes. Now the changes has been saved, the shortcuts are activated. I will provide you with the shortcuts. In Gmail. What are all the shortcuts? I will be giving you this in a PDF format on Etsy, maybe not Docs format. I'm going to show you that how it's worked. If you want to compose the shortcut to that is C. So let's say I'm pressing C. So here is this option is coming. And let's say I'm a male subject. And let's say I want to send this and simply I can select Control Enter. I need to press Control Enter, which I'm not going to do. Otherwise this means that descent. In this video, I'm going to make you understand about a very small but important feature, which is start. Let's say if I will consider any particular main important, so simply I can click on this thought. Now, once you've clicked over here, you can simply scroll down. And here you will be able to see the Start option. Here you can see, and you will be able to see all the emails that you have stopped. Okay. Now, let me go back to my inbox. This is not the only option of star. There are many other star also which you can give or other symbol you may say. Not to do that, you will have to go to Settings. Again to go for C, all settings. Now scroll down and you will be able to see the option of stars here you can see here only one of the star will be auto selected. This option will not be selected over there. So if you want to activate for stuff, we just are all staff feature. You can do that. All you can do that manually as well. Let's say I selected this one also. And let's have selected this one also. Now, Azuela's, the important part is concerned distal least important. This is after that and most importantly, this will be considered as most important. Okay, So let me scroll down and here you need to click on Save Changes. Changes has been saved. Okay, So this is how it works. So here I'm clicking over here. So this is the option coming. I need to, I need to click once again so that the other options make them. So click, click and click, and you can see those symbols are coming. Another way of doing it. Let's say I want to create a filter based on this particular e-mail ID. So I'm opening this particular e-mail. Now, there's one another use of it, which I'm going to show you. So let me click over here and let's say what I want. So in this video we are going to have an understanding about one very important feature of gmane. Now Gmail has provided a one feature which is offline gmail in order to make it, because by default it's not active. You will have to go to Setting. See all setting. Now from here, you will get under General, you will get to see this option of offline. So click on this offline. Now you will have to check this option which is enable offline mail. Now once you will enable this feature, you will get to a few setting. Let me make you understand. So first, setting is about the storage using 50 mg of 550 GB of level for offline kneel on your computer. Actually, it's showing the memory in your computer, so that's fine. Next is the synchronous setting, very important. So a store immune from the last 30 days, you can set it for 73090 days. Because what happens when it's offline than many times, we are having the tendency to go to Google type of Gmail and then open it. I've said I've set it for seven days, so it's going to download all the mails from the last seven days, including the attachment as well. Now here you can see it's completed, ready for offline, it's coming. And let's see. Now I'm offline. And here you may see this particular messages coming you are offline. Functionality may be unavailable. Functionalities like if you are sending a mail, now, you are offline. And what will happen if you are going to send them, you're going to compose. And here I'm typing the e-mail ID desk. Okay. Let me send it. Now. Once you have send it because you are applying this particular message will come offline. Message will be sent a letter. And you will get to see that particular message in the chat box while you are offline. Whatever message you are going to send that going to be available in the outbox. However, I have sent a message to myself, so that's the reason it's being shown here. Okay, Now I am overhead and let's say I'm clicking on gmail.com and you can see no internet connection is not opening. And so I have told you you will have to tie the particular URL that I've showed you that is mail.google.com. I have bookmark that it is over here. So let me click over here. The drawback is the free version of it having its limitation to how many people you want to send to. However, the technique that you are going to learn just now, it doesn't have any limitation as such. However, how we can go about this, you need to just see, okay, So here, first of all, we will have to download a template to do a mail merge. Now, the template will be available in Developer tab of Google. So that's the URL. You will have to dive. Fine. So I will share the URL with you. Now, here, just scroll down. And here you will get to see step one, prepare the spreadsheet. So here you can make a copy of it and it's going to create a copy in the Google Sheet. So let me click over here, make a copy. Now it will say, Would you like to make a copy of Gmail sheets mail merge? So make a copy. Here you can see it has created a copy. Now it has got a template that is FirstName, LastName, recipient description. All the details are there. Now there are two columns which are compulsory. First one is the recipient, which is the C column, and the second one is the G column, which is e-mail send. Rest of the detail you can change as per your need. So let's say I'm having this particular data. Next, I want to use the name. So I'm just simply copy and paste it over here. I'm going to give it a name, not firstName. Let me remove this. Recipient is going to be like this only fine description. Okay, I'll further details that I'm going to use. Let's say our contact numbers. Okay, so here I have got the data, so you will have to make changes in the copy of Gmail sheet mail merge means that template that you have downloaded. In that particular she'd only you will have to make changes like I have done. Now, as I told you, two of the columns should remain us. That is, that is a recipient and emails.
