1. Introduction : Project management could
be quite stressful, could be quite hectic. However, it's quite fulfilling when you complete a project. But it's getting quite
easier these days with the strategic and
smart implementation of artificial intelligence. In this current class, I'm
going to be sharing with you my experience as an
expert project manager who has been running projects millions over the years in
which we are going to utilize the power of artificial
intelligence for the sake of
project management, task management, and
productivity purposes. In this current class,
I'll be sharing with you, how could you utilize CA GPT specifically in order
to create a WBS, which is a work
breakdown structure. If you're an expert
project manager, you understand how
crucial this is the successful planning
of your project. In addition, I'll
be sharing with you some exclusive blueprints
and guides for prompt engineering that you
could use in case you're not familiar with using Chad GPT or proper prompt engineering. In addition to a free
completely free tool that you could use to
actually craft prompt, simply copy them
and paste them into CAD GPT to get the job done. All of these things
are quite crucial and important as part of your
educational journey, and we're going to be covering them in this current class.
2. Your Project: Your project for
the current course revolves around creating a WBS for your own
project in which you are going to apply
the key concepts taught in this current
class and mobilize them to your own project and create your own work
breakdown structure. And then you're going to
be sharing it with us for feedback and
for inspiration.
3. What is WBS in Project Management : So what is WBS? It stands for work
breakdown structure, regardless of the project. It could be quite simple,
it could be quite complex. Every single project
is made up of a sequence of tasks
that are interlinked, either they go in parallel
or one after the other, which are de terminal for the success rate of the project. So in order to have a
successful project, you need to understand what
are the tasks involved and the things that need to be done in order to complete
the project. And this is where at the
beginning stage of a project, you bring what we call as a WBS, a work breakdown structure. Now, we're going
to be using C GPT, artificial intelligence to actually help us
with the process.
4. Setting Up ChatGPT for Project Management: Are setting up CGPT
in order to help us with our WBS or work
breakdown structure. So you're going to go to OPN
AI and you can use any of the Ca GPT models to help
PA will get the job done. But in order to get
optimal results, you need obviously to log in. But if you don't want to log in, you can just simply use the interface directly
in order to get some solid results which will
help you definitely manage your So the first thing
of the entire process, which is the core
of the process, which is the priming
or setting up had GPT. In order to do so, we have to
give it a certain theme or a certain character in order to give us an output which
mimics that character. So how do we go about this?
Let's take a look at this. Put on your project
management hat, in which you are going to act like a professional
projects manager, in which you will help me create a WBS work breakdown structure. For a project. Confirm if ready. So by doing so,
what I'm doing is, I'm walking had GPT through the pathway of a
project manager. In order to behave or give me some results which are related
to the project management. And this is what we call within prompt engineering as priming. So let's take a look at the
response from Chad GPT, based on which we are
going to calibrate. Do we need to refine the prompt or everything
is perfectly fine? Let's take a look at this.
Absolutely. I'm ready to help you with creating a work breakdown structure
for your project. T get started, I'll need some
details of your project. This is very important.
It's going to ask me for those details. First of all, it needs the
project name objectives, key phases or stages, major deliverables,
tasks, and subtasks. Now, this is quite
generic, right? It is asking me
to actually share all of this information if you do have them in
the first place, and what it will do, it is going to sort them out, arrange them in a way, which is going to be best
optimized for your project. But there's nothing
to be concerned about if you do not have
those details, likely the project objectives, the key phrases, the
major deliverables. Often when you are kicking a project, kicking
start a project, you are not having
clear deliverables. The major ones are clear. However, the minor ones or
the tasks and the subtasks, this is where you need help
as part of planning and going through the process of understanding what
needs to be delivered. So if you don't have that information
that's perfectly fine, we're going to use had GBT
to actually provide us with that information simply by providing certain context
about the project.
5. Creating the WBS: Come back. Now for the sake
of demonstration purposes, we are going to pick up
where we have left off, where we have prime Chad GPT, and now we are going
to give it a project. This is based on
your current case. It's up to you to inject
your own project. But for the sake
of demonstration, let me go about
building a website. The project is about
building and E commerce, let's make it complicated, and E commerce website, which should be delivered. Now, this is where
you get smart. You add constraints,
you add themes. Any information that you have about your
project injected, delivered within a month, and I need to have the WBS clearly displayed. Now, let's take a look at this. This is a basic prop. So what we are going
to have right now, we are going to have CAD GPT, feeded this information,
this prompt, very basic and we're going to
observe before we iterate. It says, Let's create the
work breakdown structure for an e commerce website. I'll outline the structure
in an hierarchy format, starting with the
major deliverables and breaking them down into
the tasks and subtasks. Very powerful. This
is what we need. The major deliverables, and
the tasks and the subtasks, in case you do not know them. Let's examine the results as a specialist projects manager as someone who is experienced,
always keep an eye. Do not take the
results from AI as is. I just simply gor
them in action. You need to always monitor the out Let's take a look at this. First of all, it gave me the
work breakdown structure for the project management side, we have the planning, which is part of the project
management cycle. Great. It gave me the tasks. Then we got the monitoring and control within the
project management. Then we got the finalization. We got some requirements
that we need together, then competitor
analysis, design. We got the development, the back end development
broken down, and we got the key E
commerce features, content creation,
testing, all of these things which are related to the actual
project, right? Simply by listing them down, I'm able to see
that the outcome. However, Again, it's not visually comfortable
to go about this. Let's take a look at the table, that this prompt will
help us generate? You can display this WBS in hierarchical format or
diagram or table format, depending on your preference. Here's a simplified
table view for clarity. Now, take a look at this. We got the levels or
the main milestones. Then we got the tasks. We got the subtasks. Then we got the other
milestones, one, two, three, four, five, six, all of them with all of
the tasks required. How did this table
get generated in the first place?
Based on the prop. What did I mention over here? I said, you have to
be very careful with the prop because any slide modification changed the result, and I need to have the
WBS clearly displayed. That's why it took
that extra step to present the data for
me. So here you go. Now, you're able
to actually have a clear work breakdown structure for every single project
that you're dealing with. Feel free to experiment with this based on your earned
case or circumstance.
6. Wrapping Up: So, what do you think? I
truly hope that I found the class quite helpful
and beneficial, even though it's quite compact, but it's sloded
with information. I'm looking forward to receive your feedback and
make sure that you follow my profile for the
latest releases and updates, and I'll see you
in the next class.
