1. Introduction: Running projects could
be quite tricky, especially if you do
have a lot of tasks, many things taking place. Often you could run out of
time or misschedule something. However, with proper planning, things get quite easier, especially if you use artificial intelligence to
help you with that part. As an expert projects manager with over an extensive number of years managing
millions of dollars worth of projects, let
me tell you something. It could either make or break your project if you do not put a proper timeline or a proper schedule just to make sure that everything is
quite accounted for. But this is quite hectic, and it requires time by
itself to get it right. But with the help of Chad GPT, I'm going to teach you in this current class how to come up with a project schedule, a project timeline
for any project. And if you're not familiar
with prompt engineering, there's nothing to
be worried about, I'll be providing you
with a free tool that you could use to help
you create prompt, that you could
simply inject into Chad GPT to help you get up on running and start managing your project easily
and effectively.
2. Your Project: You project for
the current class revolves around creating
your own schedule, your own timeline
for your project, using the current lesson
taught and this current class, after which you will be
sharing your schedules and timelines of your
projects for feedback.
3. Setting Up ChatGPT for Project Management: That we need to do is obviously, we need to go chat to a
GPT through open eye, and you're able to use
any model that you have. You could either log
in or just simply use the direct interface
being loged out. But keep in mind,
whenever you log in, you're able to engage the
artificial intelligence better to get better results. So the first thing
that we need to do in order to, first of all, be able to obtain a proper
schedule for our project, we need to set up Cha GPT through what we call
as contextual priming. We give it some context, we give it a theme, what
we wanted to do. And then we tell we guide it in a way in order to
make it easy for it to give us results which resonate with our application.
How do we go about this? Act as a professional
project planner and manager in which I am going to give you the
project goal or name, and you need to provide me with a detailed timeline and
schedule for the tasks. So the first thing
that we're going to do is just simply to set up the prompt and see the
feedback from Chad GPT. Does it align with
our expectations? Sure. I'd be happy
to help with that. Please provide details
of your project goal, including any
specific objectives, constraints, deadlines,
and resources available. The more information
you provide, the more accurate and
detailed the timeline and the schedule will be.
This is very powerful. Why? How did I confirm that
this is quite powerful? Because it's given
me the requests or the information that it needs as a professional
project manager. If you are an experienced
project manager, you need to have all of
these things in mind. But let's say you do not have you do not
have such details, and you need yet to
come up with a plan. Obviously, you can still
do so. Now, let's see how.
4. Creating Your Timeline and Schedule as part of Project Management : The sake of
demonstration purposes, we are going to take
a random project, random as is, which is
simply as writing a book. This is our project and
we're going to write a book, and we have no idea
what the tasks, what it entails, and
the timeline needed. So I'm going to kick
things off with Cat GPT to gut it
in that direction, then I'm going to find you
and reiterate the process. The project is about
writing a book, which is about 1,000 pages. Now we're giving it constraints. This is where you get quite
familiar with the prompt. Anything that you
would be thinking of which might be
helpful for the project, or it's a limitation, make sure that you add it. The pro, this is a constraint. Should be completed
in two months. And the book should be
in a hard copy format. So I'm giving you all the constraints
that I could think of. And let's see the feedback
that we're able to generate. Now, it has been able to it's been able to generate the scope. Take a look at this. Given
the scope and the timeline, writing a 1,000 page two big. This is a highly ambitious
goal, which is true. Here's a detailed plan and schedule to help you
achieve this goal. Now it has given me based
on my plan or my timeline, which is to go for
two months, right? Now it's going to
break it down for me. Day by day for
every single phase, day one, day two, day three. Notice the additional
brackets over here. Days one, 23 for
the first phase, and we got the 40 to 50
for the writing phase. And every single
milestone in the middle, it has been broken down for you. Now you might be
wondering if this is quite confusing to look at. You don't want to keep
scrolling up and down, right? And I give me additional
pointers for success, which is time management, daily goals, support,
tools, and flexibility. But I needed to
be quite compact. I want the results to be displayed in the
form of a table. This is one, this
is one approach. You could end up with
this or you could take it to a next level.
Take a look at this now. Now I'm able to actually take a look at the timeline for every single one of them based on every single phase
and the tasks allocated. So you have a clear idea about the planning
and preparation, how long would it
take, the timeline, the writing phase, and the
timeline, and whatnot. Now we could take it
one level further. It gave me the
summary, by the way, how many days, how many
weeks for such a timeline. Now I'm going to ask
Chad GPT to display it in a form similar to
primera. So what is prima? Primera, basically,
it's what we call it a tool or software that is used in project management to
actually represent data in a way or a fashion that highlights dependencies or
the sequence of the tasks. Do they depend on
each other or not? Because you might
end up doing a task. And you're not
able to proceed to the second task unless the
first one is completed. So what does that mean?
Take a look at this. Here's the part schedule
formatted in a gain chart style, which is very powerful, based on Primera as a project
management reference. So if you do have
any other software that you're comfortable using, you could cite
that and it's able to actually mimic
the behavior of it. For example, let's take a look
at the task that we have. It added any dependencies. For example, here, I need to define the books
theme and structure. I if I'm not done with this, I'm not able to go for the detailed chapter
outline, right? Then I need to research and
gather necessary information. If I don't have
sufficient information, I'm not able to go for
the writing phase. So this is very powerful. It doesn't just simply
highlight the tasks for you. It shows you how are they impacting each other such
that you are following a professional project
management approach where you have a starting
date and an end date, that duration, that
dependencies, and the tasks. That way, you have a
clearly laid out outline.
