Productivity as a Scientist

My work includes different projects with documentation, hands-on lab work and lots of meetings. I have the luxury of having quite clearly defined goals though the road to there is quite open. So perfect for a productivity system! I happen to love lists and reflection, which sometimes leads to focusing on those rather than to the actual execution... I have separated my personal and work life on these, as I also have a company as a personal side hustle. In here I focus only for my day job.

In general my system atm is quite simple. On weekly basis (on Fridays) I spend about 30 min on checking the upcoming week. I check the projects I have and make sure I'm focusing my time on the priority ones. I time block my calendar and write the things I'm reserving time for (e.g. working 2h on a specific document), if it is urgent and very important, I add PLEASE NO MTGS to the title to keep it clearly as a priority, and to let others know too that I'd like to focus on this.

On Monday I come back to check my calendar and notes to get my thoughts back to the work, and then I roll on throughout the week. I try to have a short reflection for each day, just few sentences on how I felt, if I managed to do what I had planned or not etc.

I have a list that I update constantly on the things I need/want to do. Every month I check if I've completed all and if not, transfer the still pending ones to the next month. I also do a bit more extensive monthly reflection and go through my daily notes for that, to get a general feeling how the month went. I also check if I've worked for the goals I had established with my manager.

For yearly review I check the goals I had defined with my manager and my monthly reflections. And then go through them with her too.

In general, this works really well for me and I keep tweaking it every now and then and add inspirations I get, to try if they work for me or not. As my systems I use my calendar, OneNote and a physical notepad.
