MY NOTES ON CLASS
ORGANIZING YOUR WORKFLOW ON MANAGING PRODUCTIVITY
(based on my notes and self understanding ^^ really enjoyed the lesson!)
-
It is essential to understand the things we spend our time doing.
-
To know where your time is going
-
The brain is for having ideas, not for storing them essentially
Good to implement time blocking and scheduling your day = gives us a good default mode to manage our time.
-
Implementing a to do list manager.
-
Don't stress out on the to do list task that much, make it flexible as much,
EAT THE FROG CONCEPT
Frog= hardest task to do, in order to have a satisfying day, you have to do the hard task first, to avoid stressing out.
1- 3 - 5 Rule Concept
Importance of managing your task into the 1-3 -5 Rule
1 BIG TASK
3 MEDIUM TASK
5 SMALL TASK
If you are overwhelmed with doing your to do list all out at once, You can just bring up the MIGHT TO DO LISTin order to organize your list.
PROJECT AND AREA OF FOCUS
DIVIDING THE AREA OF FOCUS
PROJECT - Much intimidating to do because it's so big to do!
SOLUTION = break it down with doable tasks = meaning very actionable.
Sample Template :
-
PROJECT
Task -
-
-
The more we make our task more specific we are most likely to start and get them done.
GOALS - stop signs is when we achieve it then What?
3 systems of setting goals
-
Object oriented goal
What is my objective
-
Progress Goals ( is it progressing)
System Goals
-
Have a system that you could follow and implement.
VISION AND PURPOSE
PILOT - PLANE - ENGINEER CONCEPT
PILOT- one who sets the course ( makes the to do list ).
QUESTIONS to ask yourself which helps in making your VISION AND PURPOSE
-
In 5 years time what would my look like? Will it continue on the same path?
-
DEATH BED TACTIC- if I would die 5years from now?
-
What is the point of anything?
PLANE- The one who does the list made by the PILOT.
Motivation - is only a feeling which is why DISCIPLINE is the GOAT to do those actions or tasks.
THINK of these analogy:
MOTIVATION = Feeling from made by our 3years old self.
DISCIPLINE= actions made by our adult self.
DISCIPLINES Short term pain = long term useful in life, compared to Motivation.
TIP= MAKE THE ACTION MORE PLEASUREABLE
Added note: MAKE THE GOOD HABITS INTO BAD HABITS to trick your brain.
Whenever you have outcomes try to give it some feedback loops.
Over Coming Inertia - TO JUST START
-
2 minute Rule- if something is done in 2 minutes do it here first.
-
The 5 minute rule is to do it in 5 minutes.
-
Environment design - your starter up in doing something that lets you be motivated in doing something.
ACHIEVING THE FLOW STATE
How to enter the flow state?
-
Meditation to clean the internal problems
-
Remove external distraction
-
Listen to instrumental musics ( without lyrics without singing )
-
Drink two cups of coffee ( black?)
-
Enter or know your biological peak time
DISTRACTION MANAGEMENT
-
Take a step back from what you are doing
-
Get rid of distraction
-
Add friction on your distraction to the point they are too lazy for you to do
-
Actually by implementing pomodoro
-
Leveraging artificial deadlines
Artificial deadline that you can think of in your head:
ACTUAL PLAN: I will do this in 10 years
IN YOUR BRAIN HOW ABOUT : I do it three days in short tracking your brain by an artificial deadline.
THE REITOFF PRINCIPLE:
Having windows on your calendar of 2 unproductive days to just chil but dont doom scroll and just do the fun things you wanna do.
ENGINEER- MAKES SURE THAT THE PLANE IS REMINDED to keep on moving and going
SPEED
EFFICIENCY
ORGANIZATION
THIS 3 keep in mind to do stuff faster and be more productive, a good addition to your productive systems.
BENEFITS : less effort of using your brain power.
Reminder if needed to tweak your system monthly and review them as pilot jobs so that the plane would go smoothly.
REMEMBER:
15% percent PILOT
80% PLANE
20 % ENGINEER
NEED TO KEEP THIS 5 in mind:
In order to get things done and engage in productivity.
-
CAPTURE - everything in life capture it and put it in an external system;
Note: not having a clearly defined next step is a problem, not being able to clarify what the next step means.
-
CLARIFY- clearly defined to do list
-
organize - put task where project is it assigned to in your to do list
-
REFLECT- doing weekly, daily, or monthly review of your to do list;
-
ENGAGE- Basically just do it !
AND LASTLY ENJOY THE PROGRESS OF PRODUCTIVITY
( FOR me : I kinda treat it as a game ^^ since in my free time I love to play games)
