1. Introduction: If you have worked with El, you've heard about V lookup. Yeah, you understand
how complicated it is. To make the V lookout
functionality within El, reflect what you have in mind in terms of
creating the rows, the columns, identifying
the datasets. And in case of an error, good luck figuring it out
how to fix the error, to make your Excel worksheet, your V lookout
function work again. Oln anymore. In this
current powerful class, I'm going to show you how
to harness the power of AI, specifically Cloud to help you create V lookups
for your datasets, for your Excel sheet, for your workbooks, across
any application. Simply think about it,
you're able to map it to Cloud and implement it
directly through Exl. I'm going to show
you the tactics, the steps to help you streamline your Excel utilization
for any purpose, for any industry, for any dataset that
you're dealing with.
2. Your Project : And your project for the class revolves around, first of all, applying the key lessons
taught to create your own professional
V lookup as part of Excel through the
integration of Cloud. Make sure that you download the actual provided dataset to help you get things started, simply go on Cloud,
following the lesson taught, upload the data file and
simply tell Cloud to load. If you don't have your own
unique dataset to use, if you got your own dataset, feel free to use it as well. You got both options. After which you're
going to apply the key lessons to
help you create your own professional V lookup
for your unique datasets. After which you're
going to be sharing it with the rest of the
community for feedback.
3. Excel VLOOKUP Explained: Welcome back. If
you've dealt with El, most probably you've heard
about the famous V Lou, which is often a very in
demand El utilization, yet many have no idea
how to set it up, not to mention the
errors that you might come across in
terms of setting it up. I'm going to show you
how to utilize Claude in a very professional
fashion to help you create next level V lookups
for whatever application. However, this is the first time that
you're dealing with XL, you have no idea
what V lookup is. In this current
lesson, I'm going to show you what is a V lookup? What does it do and how
actually Claude could help you in terms of utilizing the V lookup feature
as part of XL. First of all, this is the
typical V lookup function that you would typically
craft with an xl, where you need to actually identify key important
parameters to make it work. So what does it
do? First of all, it searches a value in the
first column of a table. So you need to have
an actual column. This is the first
column over here. And then once you integrate the formula in the
formula window, which is the V lookup
function, as you can see, it can go from a simple v lookup to a very complex v lookup. It returns a value from a
specified column to the right. So it starts by indexing the
first left column over here. Let's say we got the
V lookup over here, and we need to fetch based on this specific column the details from any one of those
columns to the right. So you start from the
left most column, it should be the left most
column in the workbook, and then you go to
the right to identify the actual column that you would like to draw
information from. It cannot look left only right to left scanning,
so you go from here, to here, we can use column A to get data from column B
or column C. However, we cannot go in the
reverse direction. Use faults for exact match,
true for approximate. So basically, when we
are setting this up, if you can't find
a certain match, for example, price over here, we look up this column, right, based on this starting
column and get me the data. Over here, for example, if you're not able to find a certain piece of
data or a cell, you could have either false or true error message dot pops. You could have an
approximate match filter if you're looking for
something close to it or if you'd like to have
an exact match as is, these are some of the
features that you could have as part of the actual setup for a V lookup. So in summary, a V
lookup basically, it's more of a scanning
feature that depends on the far left column
to identify pieces of data for the corresponding
white columns and then present them in
the cell where you have identified the lookup. So how Cloud can
help us with this? First of all, it can design
it for us completely. We describe the data. Cloud
builds the exact formulas. I'm going to show you how V
lookup could be quite simple, but at the same time, it
can become really complex, especially with a lot of data. Debug errors, which
is often a headache. Like I've seen this when I'm
building V lookups manually. If you run into errors, typically these not applicable
or reference errors, good luck trying
to find out where the error is. It
takes a lot of time. So Cloud could find us, explain it, and
fix it instantly. Suggest prompts, find price where product equal to
laptop, for example. So if you suggest
a certain prompt, what would you like
to do rather than having to craft the actual
function by yourself? You could simply tell Cloud, Well, I would like to
create a V lookup. Yet I wanted to do
the following action. Then Cloud will help
you build that prompt, help you build that v lookup, as we're going to see in
the application segment. Convert it to an X
lookup, which is a very, very powerful feature because
like we have mentioned, V lookup goes from
left to right, starts with the first column. However, X lookup, it could
rewrite the legacy V lookups, turn it into an X lookup. X lookup has the ability
to go left and right. So it has more capabilities in terms of identifying
and drawing data. So these are some key
important highlights to keep in mind when you are
dealing with V lookup, especially if it's the first
time you're dealing with XO, dealing with V lookups. You have no idea what they are. It's important to have at
least a basic understanding, which is the whole goal
from this current lesson before we dive into the actual creation integration of V lookups an advanced stage, we go from zero to a
full on V lookup hero. What could be
complicated, typically, if you're going to be using
Excel to do so by yourself, I'm going to show
you the tactics of integrating Cloud to help you create complex V lookups
across any data set, identifying, picking,
scanning, and filtering out data as you prefer based on your unique
circumstances.
4. Setting the Data Up and Claude Integration: Welcome back. Now we are ready to dive into
the integration of a very powerful
element of any EXL file. And often many professionals, whether they are used to El
or they are first time users, always struggle with,
which is the integration of the V lookup function. So the V lookup
function always starts with the left column
over here and then fetches the data from the
columns on the right side, and it gets quite problematic
in terms of building the formula to mimic exactly
what you have in mind. So how do we go
about this through the integration of
Cloud and xl together? Let me show you a very
powerful tactic that will help you simulate how
your V lookup would look like before you
actually map it to the actual work so
let's see how does this unfold in terms of the solid prompt
engineering tactics that we need to follow in order
to make sure that we do not just simply have
a full on Vlookup created, which gets us random results, especially if we need to
download the file and open it in XL to test it out. So to eliminate that hassle, let me show you a very
powerful strategy. I'm going to mention display an interactive V look in the chat for the order ID. So what would this
do? For example, since V Lookup actually
simulates the order ID, which is the current
leftmost column, right? And fetches the data on
the right hand side. I've mentioned display
an interactive V lookup in the chat for this
specific left most column. This is very powerful. Why? And it's very
important that you mention the
word interactive. That's the most important
part of this current prompt, because if you do not mention
the word interactive, Cloud would simply
start implementing the V lookup directly
in the actual work. So by mentioning
the word lookup or interactive V lookup in the chat, as you
notice over here, you'll notice that Cloud is displaying a structure for the V up in the interface window without influencing
the actual X file. So it's creating the code
and loading the data and you can see over here it's
building the V lookup tool, which is very powerful. If I enter, for example, a certain order ID based
on the leftmost column, and I can see the
formula over here that will be used as
part of the V lookup. Select the field that I would like to return the data from. Okay? Take a look at
the feedback over here. Enter Order ID above to
look up its details. Here's your interactive
V Lookup tool. Type any order. This
is the order ID. We can select anyone from here, for example, and hit
Inter or click Look up. The formula bar
updates live to show the exact V Loup
syntax as you type. That's perfect. Toggle fields on and off using the buttons. Only selected columns would
appear in the results. If an invalid ID is inserted,
returns not applicable. That's very powerful. Now, let's take a look at this. Take a look at the final prompt. Would you like me to add this as a lookup sheet inside
the workbook as well? This is the critical step. Now, let me test this out. For example, if I
take this order ID, I copy it and then
simply paste it over here or just simply
type it out RD, based on the actual
details, right? Notice what happens. It
updates the formula. And if you're not
familiar with O, you can easily mess this up. I would like to fetch the
data for this order ID, and let's select the
right most column from any of these columns, for example, the sales rep. I'm going to mention
look up. Here we go. We're able to for that
specific order ID, I'm able to get the actual date, the region, the
product category, the product name, customer
name, revenue, unit price. I have the option to
filter these data out. So if I click on
a specific field, for example, let's say
payment method, look it up. Here we go. Then days
to ship look it up. Once I click on any
of those, by the way, it's going to be adding these details to the
actual V Lou file. Notice what happens when I click on any of them, for
example, get the date. Now the data has been already there, so it has been removed. Let's click on the sales
drip or the customer name. We've got the customer
name over here. If I click on it, it
says, Look up, it's gone. If I click on it again, look up, it gets added. So you have the option
to filter any of these datasets based on your preference, which
is very powerful. Let me just remove any additional data
that we don't need, for example, for you
to get the idea. We've got the customer
segment. I don't want this. Going to remove it. We get the
product name, for example. I don't want it. I'm
going to remove it. Let's say the unit sold,
let's remove that. We got the unit price, for example, we got the unit
price over here, right? I'm going to remove it as well. Customer name. Here
we go. Remove it. Product category,
also remove it. So we got the region as well, so I'm going to
remove that as well. So what do you end up having? Nothing. It's a blank slate. So I'm using the order ID, which is the leftmost column based on the V Lou
Excel structure to identify any pieces of data I would like to get
from the right column. So I got the order ID. Let's say, look up the
sales rep. Click on it. Look it up. We got the sales
rep. Click on it again. Gone. How about I
would like to get the sales rep. And
the customer segment. Here we go. So we got
the sales rep and the customer segment as
part of the V lookup. I would like to layer
it with the revenue. Here we go. Look it up. So for this specific order ID, who is the sales rep,
the revenue generated, and the customer segment. This is a very professional
next level integration of V lookup as part of your actual buildup
for an Excel file. If you were to do this
by yourself, by the way, it would take you a lot
of time not to mention the syntax error that
you're going to be seeing as part of the
actual analysis, right? If you're going to create
a formula which is going to be reflected as part
of the formula window, manually, even
professional Excel users tend to struggle with this. So this is a very
powerful integration of V lookup as part of Cloud to help you see how your V lookup
structure would look like. And then once you
are done with that, we have the option actually
to map it to our L workbook. Let me show you the
advanced application for this in which you
do have then the option to see all of these details within the actual interface rather than simply having
to click back and forth. Let me show you a small trick. Show the interactive. Always mention that
word interactive the lookup in a dynamic fashion where I can select the return column and click Run directly in the chat to
have the data displayed and highlighted the same way is displayed in the workbook. This is an advanced tactic
that is very helpful to take your V lookup display
to a professional level. So instead of just simply confirming from a data
analysis point of view, where we have the order ID, which is the leftmost column, we are able to look it up
based on their return fields. How about I would like to add something more dynamic
to my display, something which is
quite professional, which mimics the behavior of the Excel workbook without
actually being an El workbook. As you can see over here, we got the lookup
value being created. Then we got the return
column instead of having to toggle between
different return fields which some users
might find it quite, you know, confusing initially,
especially for beginners. I'm going to show you how to map this directly in the chat
with a dynamic feature, what I mean by dynamic, it's quite interactive, user
friendly, interactivity. You have the option
to see the data, run it like a software before actually confirming
that you know what? This V Lou works perfectly fine, and we are good to go to map
it to our actual workbook. These are considered to be time consuming
tactics, by the way. If you are building
this at scale, you are working as
part of a company, as part of your business, and you're trying to analyze data. It could be quite problematic. Take a look at this. So we
got the order ID over here. Let's say this is the order ID. We can type in the
order ID, for example, ORD, and I'm going
to mention 1001. Let me click on select the column that I
would like to select. How about the revenue? I'm going to type in R. Notice
what happens over here. We found the values,
and we're able to mimic similar behavior
as the actual XL file. It looks kind of the same. We've got the order
ID over here. This is the revenue,
and based on that, you're able to spot it directly as part of
the actual file. So this creates a very
dynamic interaction that you're able to use to help you build up
your V lookup file. I'm going to show
you another layer that you're able
to do with this. I'm going to mention display the full raw set or
rows set in the chat. And once I click Run, you will navigate to that specific row and make
sure that the order ID, or we call it the lookup value, the lookup value can be selected from a drop down
menu straight on the chat. Now, feel free to tinker with the structure that
you would like to have your V
lookup created at. I'm showing you
different options to help you, first of all, get familiar with the V
Loup integration process. That's one. Two, how to confirm it aligns
with your expectations. For some users, for
example, like myself, this is more than
sufficient to confirm that the V lookup is spot on. However, if you'd like to map it as is to your Excel file, you can confirm it with this
level as well for beginners, for example, or users
who would like to have everything running in the
display before confirming. You know what? It's good to
go and mapping the data. Which is important within
the professional context to make sure that all
of the formulations are working perfectly fine. This will help you achieve this in the easiest way fashion. So what I've done over here, I've mentioned to the AI
model that make sure that this is drop down compared to
the previous one over here, where I had to type this manually to save you more
time in the process, as well as what is
the return column? And then it's loading
all of these rows, by the way, straight in the
chat over here. Here we go. So I have the option to
select the actual order ID. Notice it's displaying the actual sales rep and
what is the product? Let's say this is the order ID. Find for me the actual
sales rep name. Let's go for the
customer name, right? And once I click Run,
what is what happens? You're able to spot it out. It's in row number four. If you go over here,
this is row number four. Same dataset, sales rep name, you can see over here,
and we're able to identify and highlight
the customer name. It's highlighted over here. So you can cross
check with your data as you prefer in a streamlined, systematic fashion, saving
you time, saving you effort. Now, let me show you
another layer to help you take it to new heights
to make it more dynamic, more like a software
kind of thing. I'm going to mention make this Lou more user friendly, in which when the Lu
item is selected, the return column
is displayed at the bottom of the
sheet or the chart as a green box, including
return details. This will give you more of a tool based interaction
that will help you see how powerful
it is to integrate Cloud as part of
your XL analysis. You are seeing different
layers for the buildup for the V lookup buildup from
a basic confirmation for the formula setup to advanced integration
of the V lookup as well to a software or a tool based representation
for the V lookup, saving you time, saving
you effort trying to identify pieces of
data here and there, such that you have more
of a software based or a tool based interface where you are able to display this
in a professional fashion. So the structure for this current prompt is
telling Cloud, You know what? Go ahead and present this in
a more professional fashion. Such that when I select
something over here, I'm expecting a go to result. Green window, get me the data. I don't have to manually cross check back and
forth or go between the chat and the
Excel file to see how things are quite reflected.
Take a look at this. We got, for example,
order 106, get me, for example, the payment
method, click Run. Notice what happens. Oh.
This is the V lookup. This is the order ID,
date, sales rep, region, the payment method
clearly highlighted, the project management tool, Row seven out of 51. See how professional this is. You are actually taking
the XO V lookup approach and building it
straight into the chat. Let's test this out with
something different. How about we go for the keyboard and mouse over here, order 1015. Let's go for the actual revenue hit Run, take a
look at the data. We got the revenue
clearly labeled the ID, date, sales rep
region, product name, and the actual formula used, which will be displayed once you download the actual workbook, once we finalize integrating
it, and guess what? It's displayed straight into the actual window Row 16 to confirm the data
set over here. This is a perfect integration
of V lookup, creating it. Typically users or professionals who are quite well
versed with Excel. They take a lot of
time to do this. And I'm showing you, regardless of what is your level in
terms of using Excel, whether you're a beginner
or an advanced user, how to take your EXL
game to new heights.
5. Excel Integartion: Welcome back. So I have confirmed the structure
for our V lookup. Now we are ready to map
it to our EXL file. By the way, as you get the hang of this takes you
a couple minutes, like a minute or
two from creating the V lookup to migrating
it to an xL file, and you can see the speed, especially with large datasets. I'm going to mention
over here, next, create a new sheet
for the V lookup, including the Enter
activity features created till this point. So instead of having
a basic V lookup, which is often the
case with any xl file, if you have created
a manual V lookup, you are going to
simply create a sheet, table v lookup and that's it. I will fetch the first leftmost
column and start getting the data towards the right
from any column that you prefer in a tabular format,
which is quite dull. I'm going to show you
now how to turn it more of a professional display
straight with an L, such that if you're
using this for a professional meeting, you are displaying the data, you're analyzing the data, you're able to save up a lot of time once you download
the actual file, and you're able to tinker with the El dataset in a
professional fashion. Whether you are a beginner
or an advanced user, you're able to leverage the
skills I'm sharing with you. So if you notice
over here, a cloud is creating an interactive
v lookup sheet. Notice what happened? A new
V lookup sheet has been created and popped directly
into the XL interface, right? It's recalculating the
formulas, running the command, and you will be stunned by
how professional this looks. If you have done V
lookups manually, I've tested this
myself over the years, let me tell you something it
could be quite problematic, and it's easy to break. If you change one column with
respect to another column, then you might run
into the problem of messing up the
entire set of formulas. However, once you follow
the structure with Cloud, which is a very
professional integration, you are able to
fix any errors in seconds compared to
hours or even days. So now Cloud got into
the stage verifying the actual data that we have compiled up to
this current stage, and now our workbook is ready. Let's take a look at
the command over here. Done. Zero formula
error is confirmed. The new V lookup
sheet is fully set up with all the
interactivity features. Here's how to use it.
You got a guide as well. How it works in XL. This
is the cell, the purpose. Type A order ID,
highlighted in yellow, then enter the return column, highlighted in yellow, shows the live look of
formula reference. All the columns are
populated from sales data. The moment you enter the
order ID, that's excellent. The selected return column results is highlighted in green. Features included
live cross Sheet Va pulling directly
from the sales data, the ones we got over here. We got green colors. We got a column index. We got data validation,
if errors wrapping, solu Blank input show a friendly prompt in
case of an error. Now, let's explore how does this look like, and here we go. See how professional this is. Now, once I go ahead and
download the file, by the way, and I take in any
order that I have, simply copy this and paste
it directly over here, and select which column that
you would like to return. This is column number two, three, four, five,
whatever it is. I do have in the
option to simply take a look at the formula which is going to be
integrated, right? I get the steps over
here, enter the order ID, choose the return column. Results appear in the
green panel below. This is powerful.
And by the way, it's important to keep in mind, in order to see the results, you need to download
the file and open it in Axl because basically these
are dynamic formulas, once the formula is embedded, as you can see over
here, take a look at how complex it is to build
this from scratch by yourself. So you got the
formula displayed. Simply, you could
download this and then test this out by entering the actual order ID and the column that you
would like to return, whether this, this or that. And then you do having
the ability to take a look at the results straight
in the actual window. See how powerful and really
professional this is. And by the way, we could take it to another level, I'm
going to mention, I would like to have a
drop down feature for the order ID and return column
instead of copy and paste. So instead of jumping
between, you know, sheets here and there,
finding an order ID. And then I go back
to the VL lookup, which is typically the
manual approach that many Excel users follow, then we are able
to get the data. How about we take it to
a new lavo by actually having Cloud create a
toggle window over here. We're able to select the ID
and select the return column, and then it populates
the data as it is. Without any
intervention manually creating cells or
formulas from our end. Notice what happens over here. If I go back to the V lookup, Cloud is getting to work. It's building, recalculating,
and verifying the data, copying it to the output, presenting the file,
and I'm expecting it in a couple
seconds to be ready. By the way, if you're using
Cloud for the first time, it could run in the background. You could get to your
own project or something that you're working on and get
back to it once it's done. Here we go. Zero
formula errors confirm both input cells in
the Vlookup sheet how full dropdown functionality, how it all connects, you
select the order ID. Then the green cells populate. Click on the V Lou,
and here we go. As you can see over here, once you download the file
and you open the file, you are going to see the
actual drop down icons. You click on it and you have
the option to toggle it. However, like I mentioned, you need to open the
Axl file first in order to be able to see all
of these dynamic features. Straight in the interface, they will not be displayed. However, once you
click on Download, the file that opens in xl, you will see all of
these dynamic features directly embedded because
we've opened the file. We've seen how it looks like, and it works perfectly fine. So at this current stage, you're able to see how things unfold through integrating
a cloud as part of creating the V
lookup structure for any dataset that
you have in mind. And you can simply tell
Cloud, for example, if you would like to change the structure of your V lookup, because the V lookup requires the far leftmost column, right? This is considered
the main reference. You start from here,
and then it fetches the data across any
column towards the right. And if you would like to
change something, for example, let's say you are
trying to change the order of the V lookup. This is where things
tend to break. If I delete the order ID, by the way, the V lookup
completely stops working. This is something that excel
users de tend to face, and I'm going to show
you how to resolve this.
6. Advanced VLOOKUP Applications Through Claude: Welcome back. So we have successfully migrated the V
lookup to our Excel book. However, let's take
it one level further. I would like my V lookup
to be dynamic where instead of depending only on
the far left most column, how about if I would like to
change the structure where I have any column to be my reference and to fetch
the data accordingly, simply navigated the
prom win I mentioned, I would like the V lookup
to be flexible where the reference column
can be changed and the return column can
be selected accordingly. So if you're familiar
with the V lookup, it strictly depends on
the far left most column, starting in the actual workbook. And if you would like to change, for example, the Sal drap, put it instead of the order
ID as the first one to create a new V lookup,
everything else breaks. I'm showing you now
a very time saving tactic that will help you turn the XL file into a flexible V lookup application rather than simply
depending on one order ID, and then I need to
create a U V lookup for any column if I would like
to create a V lookup for it. No, I'm showing you how to turn this into a
flexible V lookup. I could select the main
reference to be the sales rep, for example, and then go ahead and return the region or
the product category. Because if you take a look at the structure for the V lookup, this is the main reference. This is the return, right? So I'm going to change
this to be from fixed to something dynamic,
something flexible. And accordingly, I'm going
to change the return. And if you are someone who
has done this manually in El, you understand how complicated this is because it
could easily break, and I'm showing you this
advanced tactic to help you turn your V lookup skills
into something very powerful for whatever application that
you're dealing with. Take a look at the
feedback from Cloud. It's rebuilding the V
lookup, by the way, with flexible reference and
return column dropdowns. Instead of me having
to manually go back and start building this
entire workbook from scratch, if you were to do so
through Exel, no. Claude is fixing up the code
for you in a couple seconds, rebuilding the flexible
V lookup sheet with all three dropdowns, recalculating, verifying,
copy and back. It's fixing any errors
because it's running the simulation at
the background to confirm that there are no
errors with the formula, and then it's presenting
the file. Here you go. Zero errors confirmed. And how to use it. This is the reference number, and if I click over here, it will open up the lookup. If you have noticed,
the reference column now could be changed. Like I could add the
reference column, including what is the reference instead of simply the order ID, and what is the lookup
I'm trying to get, and it will populate
the results as is. However, I would
like you to see it straight in the actual display. I'm going to mention
display this as an interactive we look up in the chat before moving
it to the Axel file. Here we go. Always mention
the word interactive, which is crucial as part of the prompt engineering structure when you are using Cloud to make sure it's displaying the results here before directly
displaying them into the file to save you
some time in terms of the back and forth communication
with the AI model. Now, what I'm expecting is
that Cloud will give me the drop down for the menu in a very
professional fashion, highlighting the change in the reference and what
I'm trying to achieve. For example, we got
the reference column. Instead of being fixed
like the order ID, no, I have the option to actually select a reference
column as I prefer. What I'm trying to identify, what is the return column. And it's loading all of the
files or the rows over here. That way you have
a drop down menu that you could utilize to help you identify any
dataset within any xL file. That you are dealing with. And if you notice
as well, you get the update in the V
lookup formula, right? So it's quite
complex compared to the typical structure for
V lookup that many Excel users that use in a
professional setting quite familiar with simply copy and paste the
first column and then build your entire
V lookup on it. And if you change something,
the entire v lookup breaks. No, this solves that
problem by giving you more of a flexible V lookup. Let's say, I'm going to
change the reference, not from the first column. I would like my reference
to be the sales rep, right? Here we go. This
is the sales rep. This is the return. Now, if I
go for column number three, I would like to identify the
unit price, for example, and let's find the actual
lookup value over here. So if you notice, I'm having
a different reference, and for that specific reference, what are the pieces of
data I am able to get? Right, let's test this out for a different reference column. How about we go for
the product name, for the product name. And then you take a look
at the lookup value. For that specific product name, what are you trying to identify? What is the product you're
trying to figure out? For example, let's
say, a premium PenSAT. For that premium PenSAT, let's take a look at the return
for that specific column. For example, I would like
to find the revenue. It will simply identify
this as part of the XL file as
well as getting me the details directly
where I'm looking up the value for this actual pen, referencing the product name over here and
returning the revenue. This is next level V
lookup integration, and it's one of my favorites
because this gives you the flexibility
to look up data, analyze data in a
professional fashion, which typically would be quite
problematic to use through a typical V lookup structure
where you simply have a fixed reference column and simply simply change
the return column. No. Now we're adding a
flexible integration, which changed the
reference column, right? Let's say the customer name. What I'm trying to identify
within the customer name, any specific customer,
for example, let's say this is the customer. What am I trying to identify for that specific
customer, let's say, the revenue or the actual product category
or the product name. So for this specific customer, I was able to find what is the actual product that
they have purchased, identifying specifically
the customer name, where my reference is the
actual customer name. Another representation,
let's say, for a specific region, I'm identifying
what is the region, and what am I looking for in that region, which
is the revenue. Here we go. So I'm able to find for a specific region,
