In this course, you're going to learn about the first conversation AI agent that enable business owners like you to schedule appointments with clients across omni channels, including e mail, official websites, text, SMS, and popular social media platform like Waspp, Facebook, and Instagram. This course is all about how to b and deploy AI chat boards. The enhance conversation appointment booking. This course will teach you how to seamlessly integrate popular calendar application, such as Coople calendar and C Kalende to deliver a professional and effortless appointment booking experience. To introduce myself, I'm Manan Pate, an AI instructor, and EH ad board agency owner. And trust me when I say this, I have a lot of knowledge around this area of AI automation and AHd. Course is for all of the sol, small business owners, marketing agencies, and from various professions such as DN estate agents, auto dealers, e commerce merchant, healthcare provider, and many more. So that's all for this lecture, and I welcome you to this course. I will see you in the first lecture. 2. Creating Your First Chatbot with AI: A Step-by-Step Guide: Let's get started with our first chat board in new Oaks dot a. So click on my chat boards. But first thing first we will need is our Open AI APA key in order to run this chat board. Go to Open AI Platform or in APA Keys. Don't worry. I will provide this URL in the research section. Then click on, create new Secret key. Let's say New Oaks and two, and then create secret key. Copy this open AAPI Key and then paste it in new ok dot a, and don't get any funny idea. I will delete this key right after this lecture. Well, this is your dashboard of chatboards. So we have two options as of now, which is new chat board from Template, as well as we can also create a chat board from scratch, and that's exactly what we are going to do in this lecture. So click on new chatboard, and then it populates with data sources option. Well, both are data sources for your chatboard. Data source are kind of knowledge base that uses generative AI technology to summarize these data sources and then turning them into coherent and contextual conversation answer. We have four types of data sources in York dot a. First is file, then text website. Q&A. In this lecture, I'm going to show you how to create a chatboard using these files data source. Well, you can upload any file, for example, any PDF, any document or any text file. For this instance, I will select a Microsoft annual report of 2023. Don't worry. I will provide this report in the resource section so that you can try this along with me. As you can see, this is the Microsoft annual report, and it contained tons of images, charts, as well as financial statement. So let us add this bg fi to our data source and play around with this annual report and ask question to our chat board. I will upload that document. Our data source of annual report is uploaded. Then all we need to do is click on this create chatboard, and it'll train our chatboard for this document. Wait for the training to happen, and then you will have your very first own chatboard of new yorks.ai. Our chatboard is trained now. So let us play around and ask some question to this chatboard, regarding that annual report of Microsoft. The first thing we can ask is What is the report about? And the answer is, the report includes estimation, production, statement, business plan objective, and many more. Further on, we can ask. Imagine if you have a long lengthy report and you don't have enough time to read entire report for yourself. And that's where new Oaks do can really help you. So you can simply upload your PDF or document that you have. Then simply you can ask question regarding that PDF. It is kind of a chat with PDF. Can also even ask to summarize entire report. You can simply just type. Give me a quick summary of Microsoft report, and then press on Enter. It has summarized the entire report for us. We can see Microsoft report for year end date highlights its mission to empower individuals and organization globally through technology. You can see 22% increase in Microsoft Cloud revenue, 10% increase in official commercial product and many further things. So just like that, we don't have to summarize and read all of the 96 pages to understand what this report is all about. We can leverage the power of new ok dot a in order to get the answers and insights from the report. Feel free to play around with this report, as well as I will attach another report of first quarter annual report of Microsoft in the resource section. Can ask tons of question, and it will provide answer to that question. Let's say, who are competitors of Microsoft? Microsoft faces competition from various companies like Google, Amazon, IBM, Sales Force, and many other companies. So this is the real magic of New York dot AA. This is just to give you a quick overview or a small glimpse of what we can achieve by using new Oaks dot a. In the further lectures, I will show you how to set up a chat board that will hinder all of the appointment booking for you, as well as we will integrate our chat board with Facebook, with whats, with Google voice, as well as bidirectional CRM. So don't go anywhere, and in the next lecture, I will show you how to create a chat board just by simply copying the URL of your website. 3. Train Your AI Chatbot by Crawling Your Website: This time, I will show you how you can train your chatboard, using data source as URL for your website. So go to new chat board. And then this time instead of files, we will select website. In this, we have two options, which are crawl and submit site Map. Let me explain both of them in retail. Let us talk about crawling your website. By providing the URL of your website, new oaks dot eI will automatically crawl and fetch all of the links that start with that URL. This will include all of the pages, but we'll exclude any files or images or any document in your website. For this instance, let us take a demo or example website. Let's say you want a fully function AI chatboard for this website, which is l travel guide, and it has a bunch of informations and country state and guidance. Well, you don't need to create a document and store all of the information in that, and then upload it in new Oaks dot a. All you need to do is simply copy this URL of the website and then paste it in new oaks.ai. Simply paste the URL here in the crawl section, and then click on Fetch links. And if you scroll down, we will be able to see included links. Well, ld Travel guide, country guides, City guides, feature homes accommodation, Qatar, and all of the URLs that are available in this world travel guide dotnet. And if you want to find all of the URLs, you can scroll down and see these are the URLs that it has automatically fetch just by simply copying that one website URL and then pasting in our New york.ai. Now, we need to train our chatboard for all of these 47 links. So click on Create chatboard, or train chat board. It will take some time to pass the website. So hold on to that. And just like that, our chat board is created. Let us play around with our world travel guide chatboard. We will ask question regarding travel guides, travel plans, and travel itineraries. First thing, first, we will say, hi. Can you help me with my travel plan? Of course, what specific information or assistant do you need with your travel plan? Let's say I want to travel to Qatar for seven days. We will say plan me travel itinerary to Qatar for seven days. And within a second, it has suggested a travel itinerary of seven days. Devon is arrived in Doha. Second day is cultural exploration and rest of the other days. So you can see how simply you can create chat board for a website, according to your knowledge piece, simply by copying the URL and pasting in new ks dot a. It also cite the source of information from the website. Don't worry we can hide this, and I will show you in further lectures. You can also ask questions like that particular place, food, culture, background, favors places, and many more. So it will answer all of the question regarding this particular website. So as you can see, this website doesn't have any chat board, so it is a good time to approach or pitch this website. You can create chat board and monetize your development skill. We can ask questions like a Dubai or any place you like, and I'll try to answer the question from World Travel guide data source only. It will not make up any new answer or new facts. So as you can see, one of the most interesting fact is Buch Khalifa, obviously, which is the tallest building in the world, as well as its size the source of information. So feel free to play around with this chatboard, feel free to try a different website, for example, doctor website, Healthcare website, GM website, real Agent website, and many others. In the next lecture, I will show you how you can customize your chatboard by using this siting tab. So I will see you in the next one. 4. Customizing Your Chatbot: Settings and Options: All right, after building our chatboard, let us see some of the options in setting and customization. So go to setting tab, and first thing first we can change is the name of our chat board. Let's say our first chatboard, and you can copy the chatboard ID as well. Then we have model, interface, security leads, domains, and appointment. We will look them one by one. First thing we will look is models. In models, you have a bunch of options to configure your chatboard, and this will be going to your Go to guide to find you your chatboards. First thing we have is prompt templates. As you can see, the current prompt is acting as a customer service. If we click on our prompt template, it will display these three templates. The first prompt template is of sale service. And in the system message, you can see it has already written this prompt for you. So you don't have to find and retype everything into it. Then we have our customer service prom. You can see you are a customer service assistant to the given information. So this is the pre built prompt template for customer service. And lastly, we have our appointment booking prom template, which is a very vital prompt template. Let's say you want a chat board, which is both customer service agent as well as appointment booking. So this third tempate is your go to guide. You can say your specialized role is in AI customer service agent as well as in appointment booking. And as of now, we want our chat board to book appointments from our clients or customers. So we will select our appointment booking option and then click on. As you can see, our current prompt is changed to appointment booking, and it has written all of the prompt in this prompt field. Well, that's great for us. Then we have our safety prompt switch, which is the list of categories of questions that are prohibited or you consider not related to your business. So you can separate different content categories by written or brake line. As of now, we are not going to turn this of, as well as this error message. Whenever if your chat board is not available or in under maintenance, it will reflect this message of error. There are too many users. Please try again, as well as you can change the message itself. Let's Then we have our models. You can see I have selected GPT 40, but feel free to choose GPT 3.5 GPT four turbo, whatever you like. And then we have our model APIK, which is the same as we copy and paste it from open AI APIK. Then we have our temperature, and right now it is set 20. But as you increase, it will get more creative and it's more likely to llucinate, or answer inaccurate results or faulty answers. Let us live our temperature to zero. You can also change the time zone. Always make sure to click on save after making some changes. Otherwise, your chat bot won't be able to update. Let us click on save, and our chat bot is saved successfully. Then we have a option of chat interface so that we can customize or configure our chatbot as we like. Well, this is a very pretty interesting thing in new ok.ai. As you can see, our chatbot is in blue color. First thing, first, I don't like this blue co. Let us change to pink, purple, or green. If we click on this color, all you need to do is change the color of your chat board. Et's say dark purple. Awesome. It is looking a lot better. Then we have our initial messages. Let's say, Hi, this is your AI assistant. What can I help you with? And you don't like this. You can say Hello, and welcome to my travel agency. I am your AI assistant. Then we have our suggested messages. Well, what are they? If you go to GPT, you can see, these are some of the suggested messages or conversation starter. If you click any one of these, it will automatically start conversation with our chat board. Same thing we can do in our new ok dot a. Let's say, my example is of travel agency. I want to book a call. Then click enter from new suggestive messages. I have added four suggestive messages. Book a call. I want to travel the world. Question regarding visa and Plan M a trip. If we click any one of these, it will automatically start conversation with our chat board. Suggested messages are like common issues, common topic or common queion to your client or a consumer in ones. It is a pretty good way to start conversation with your client without them typing quions manually in our chat board. Furthermore, we have a language switch, which is converting simplified Chinese into traditional Chinese. Let me tell you an interesting fact about New yorks.ai. New York's dot AI supports around 95 languages. You can have your sources in any language and ask question in any other language. For example, if your data source is in Chinese, you can ask question in English and get the answer in English, using the same data source that was stored in Chinese. Well, that's the real power of New York's dot AI. After that, we can change the theme of our chat board. Let's say you don't like this light theme of our chat board. You can simply click on this theme and change it to dark. Well, it is a lot better, but you have to keep in mind the color of the answers, as well as color of your chat board. As of now, we are going to leave it light. Then feel free to play around with the chat board width in chat board height, as well as you can increase the border radius. Let's say we want the border radius to f. So it will increase this border radius after we save our chat board. Then we have a shadow system, which is kind of a cool feature in new Oaks dot a. By leveraging these settings, we can actually give a live and uplifting chatboard filling to our end users. Feel free to play around with this, as well as we have feature of bubble setting. Again, feel free to play around with this. Then we can change the fun family of our responses. Let's say I like Noto sense Korean, and that's how you can change the fun family, as well as you can give your own profile picture of your chat board. Let me show you how you can do it. And you can also change the chat icon simply by clicking on this alo, and have our chat icon. But as of now, let us remove chat icon. Feel free to change the color of chat button. Let's say we want to greg type, and you can change the alignment of chat bubble button. Let's say we want it to be left. And these are some of the additional features you can do in New Yorks dot a, which is lead magnet and auto show initial message pop up after a second. Feel free to play around with this, but leave it as of now. And this is my favorite thing in New Oaks dot a, which is human takeover. Now allow me to explain this in much detail. This essential functionality is activated when a visitor requests human support or when the chat board encounters a query, it cannot handle. When triggered, the conversation is seamlessly forwarded to a designated human agent or customer service, ensuring that the visitor needs are promptly addressed. You can also customize the human takeover reply message to let the user note that a human agent will assist them shortly. This feature ensures your chat board can provide excellent customer service even when human interaction is needed. Let's say I want to forward the message to myself. Simply I will enter my e mail, and that's all you need to do, as well as you can add custom human takeover reply message. We can say hi. So our user will know that a real human being has taken over the reply or message. Awesome. And lastly, we have our display source reference link. So this is what I'm talking about. As you can remember in the last lecture, we don't want this source link, so we can simply just turn this off, and then click on Save. So make sure again to click on save after changing all of the things we need. Then we have something called security. In security section of our chatbot. The visibility of our chat board will buy default P perla. Feel free to change it to private. In private, meaning, no one can access your chatbot, expect you, and in public, other people can chat with your chat board, if and only if they send or you send them a link. You can add extra security to your chatbot. Simply by clicking on this, only allow the i frames and vigid on the specific domains. Let's say if you have your own website or your own domain, simply just type the domain here, and your chat board will run on your website or on your that domain, and not anywhere else. Well, this is a great feature in new ok.ai. Lastly, we have message limitation. Meaning if someone is pamming your chatbot in your website, you can simply limit that by limiting to only 20 message every 240 seconds. Feel free to change the second. Let's say you want one 22nd. And this message will be shown when the limit is set, which is too many messages in a row. Please try again later. Feel free to edit this message as well. Then click on saw. Furthermore, we have leads, domains, and appointments. I will discuss all of these three in the next lecture. Okay, I will see you in the next row. 5. Expanding Your Chatbot's Knowledge Base: What if if you want to add new information to your existing chat board, I will show you how we can do it in new York dot a. In my chat boards, we will use the example of our first chat board. Go to sources, and then we have these options, which are files, text, website, and QNIs. You can see it has added two new features, which is key trigs and company information. Well, in files, you can add any PDF document or text file, as well as in text, you can manual add data into your chatboard. Let's say, I want to add all of this information to our chatboard. And then make sure to click on retrain chat board. Well, it has added the data source in our chat board. Then we have website and QNA, which is question and answer, which we have already set up in the last lecture, which is schedule a meeting, and the answer is, Hi, I will book for you. Please provide date and time you prefer for the meeting. Now let us just delete this and add another QNA. Let's say the user qu will be. Then provide you your e mail. An phone number. And then click on add. Pick on Rt and chat board. Then we can check that it has added our data source or not. But you can see it has provided the information in a best structure and English response. You can contact me via my e mail and my phone number. Well, that's us. If we go to our sources again and keyword triggers. Well, what are keyword triggers? Keyword triggers are specific responses or desired responses to be activated when certain keyword is triggered in a strict manner. Let's see we want a keyword of Dubai. And immediately when the keyword is used, it will automatically provide this specific answer and not any other answer. And that's why keyword tickers are very crucial in chat words. And then click on S. This time we will say I want to travel to Dubai. Please contact Manthon at Manthon 2024 at the gmail.com. And this is why we use keyward twiggers when we want some direct response or desired response to that particular keyward. Go back to our sources. And lastly, we have our company information. And you can see it has already added all of the information by itself. I haven't added any of it. Company name, company address, company profile industry, website, business hour, description, and a lot of other information. Well, feel free to add all of this information for your website, and then click once. So that's how you add data sources on knowledge base into your existing chatboard. Well, in the next lecture, I will show you how to integrate your chatboard with Google Voice, Facebook, ilo, WSup, and many other applications. All right, I will see you there. 6. Creating a Lead Collection Chatbot for Your Website: This lecture, we will create a lead generation chat board or lead collection chat board for a website. Go to your chat board. N the siting tab, click on Leads, and this is the lead collection form for your chat board. The title is, let us know how to contact you. Let us keep this as it is, and if you want to keep this form obligatory or mandatory or compulsory to your user, you can simply turn this on, and it will automatically capture all of the leads. But we don't want this. Then we have a feature of lead Fm display option. Meaning display from human takeover only or display from every equation. Let us keep this display from every equation. We will collect the name of the person. We'll collect their e mail, as well as their phone number, and any message custom, and any custom message you like. Let's say we want to collect the Facebook ID or Instagram ID for our user, and you can add privacy policy URL off your website, meaning all of the data store will be protected and safe. Now, let us simply just save this, and let us run our chat board. Wow, it is looking a lot better. Hello and welcome to my travel agency. I'm your AI assistant. Let's say hi, and it will prompt up with our lead collection form. As you can see, hello, How can I assist you today? And then let us know how to contact you. Well, we can input our name. Our e mail. As you can see, it will automatically check for correct email address and not any temporary or spam e mail. Then we have our phone number and our Instagram ID. And if we click on summit, it will automatically store or collect the information of hours into the database. So let us click on summit. And our form will be hidden. Let's say, I'm just playing around. You can see I'm here and ready to help you with any of your travel needs. Now let us go back to our setting and check that our lead or our information is stored or not. Click on dashboard, and in leads, you will be able to find the stored lead. We have seen ID, name, which is my name Man, e mail, my e mail, phone number, and the creation. Just like that, we have created a lead generation chat board or lead collection chat board within a matter of few minutes. You don't need to have any coding experience or technical background. But by using this no code development tool, New Oaks dot, we are able to collect leads in no better way. All right. In the next lecture, I will show you how to set appointment or book appointment with your client or consumer without having any coding knowledge by leveraging the power of new ks dot. 7. Automate Your Appointments with your Clients: With Calendly and Google Calendar: Imagine if you are a real estate agent or car dealership agent, you will more likely to have meetings, appointments with your clients, and you waste a lot of time in booking appointments or scheduling the meeting with your clients. I will show you a quick way how you can do without any human interaction and in matter of few minutes. So go to your chat board and in appointment section. You can see we have to enable appointment first. Then we have two calendar application options. The first is calendar, which is very famous, as well as Google calendar. I will show you how to connect your calendar with both of these application. First, we will start with calendar. So click on authorization. It will ask continue with New York's application to connect to your account and manage your events. So Connect to calendar. And just like that, we have set up our integration with calendar. You don't have to do anything. It will display your e mail, as well as the event type, which is 30 minute meeting. And you can set suggested messages for appointments or custom trigger kevers. Let's say book a call. I want a appointment, schedule a meeting, or I want to talk to you. All right, this will work. Now click on So, Let us go back to our chat board and see how this is going to work. You can say we have our suggested messages or triggers, which is book a call. I want a appointment, Schedule a meeting, and I want to talk to you. Let us click, Schedule a meeting. It will say, I can help you with that. Can you provide me some details about the meeting? For example, preferred date and time? Let's say I want to schedule a meeting tomorrow. Great. Tomorrow works for you. Could you specify the time? Let's say 2:00 P.M. We can also add particular agenda or anything specifically required for the meeting. Let's say travel plan. Then it will pop up the calendary configuration. You can see Month P 30 minute meeting, and I can set any date anytime I like. Let's say I want to book a meeting to Monthen on May. Then I can see the time. Let's say 10:00 A.M. Works from me. Then click on next. And I can enter the details. Let's say Month. And then schedule my event. You are all schedule. A calendar invitation has already been sent to your e mail address. Well, that's awesome. Now let us go to my e mail and see if it has automatically set up a meeting or not. In my invox, I have two new messages. First from Clendar and second from new Oaks dot a. You can see a new event has been scheduled. 30 minute meeting invites name is Mam from another way, M e mail and the time and the date. Well, that's perfect. As well as in my first e mail. You can see new appointment is spin book. Hi, please check out the contact information left by the customer, which is invite name, invite e mail, and event and datetime. That's perfect. So that's how you do appointment booking with chatbot, without any human interaction in matter of minutes. And if we go back to our chat board, In dashpot. We can go to appointments, and it will automatically reflect the scheduled appointment, name, e mail, content, and creation time. Another thing is you can export all of this information in form of a CSV file, both from appointments and leads. As well as in chatlog, you can export in the form of a JCI file. One cool feature about New York Not AI is you can revise the answer if you don't like the existing answer. Let me show you how. If we click on this revised answer, user message was schedule a meeting, and the board response was, I can help you with that. Let's say you don't like this answer, you can simply type the expected response. H i, I will book that for you, but please provide ten time you prefer for the meeting, and then click on date answer. And that's how you revise the answer of port responses in case you don't like. And this is really an interesting feature in new ok dot a, because trust me, no other chat board solution application or chat board platform offers this interesting feature of revised answer. Now let us open our example template. This is the example template of Google Sheet, which is the e commerce template. The first thing is company information. So fill out all of this information about your company. Let's say your company name email phone number. Industry product description, and then we can add all of the product description. Well, we have our product URL product name, currency involve product category and all of the stub. For example, they have already created a Google Sheet page. In company name new kI contact person R AdS company profile, as well as same from the product information. They have taken information of a yoga mat. Now all you need to do is simply click on this file, M a copy and then make a copy in your own Google tri. Then fill out all of the information about your product, in product information, and in company information. Fill out your company name, contact person, and everything else. Then click on file. Click on Share, share with others. And make this and make this access anyone with the link. Make sure it is viewable, and then copy this link. Let's go back to your new ks. And you can see we have to catch the webhook. So click on this. We will select catch, and this is the URL, which is production URL or testing URL. Use this URL from testing the webbook and saving sample data. But it won't start the flow. Well, if you're expecting a reply from this webbook, add slashk to your URL in case you want to return response, and we definitely want to return response to our chatbod. We'll copy this production link. Then paste it in this URL, and then in order to retrieve the answer from our webhook, we have to add slash and sync. Then make sure the required response status is in the JN format and it should be success. Simply copy this. Go back to our active piece. Then in order to return the response from our new ok.ai, we have to add a written response HTTP. N in action, we have to return a response. An response, as you can remember, we have to add this status of success. Awesome. Now, click on this Catch away book. Then click on Publish. Make sure to publish your active pieces flow. Otherwise, it won't be able to run. Then click on test trigger, and it will test the trigger and get the information from new aks dot a. You can see our catch ab book is successfully tested.
