1. Welcome To The Class: Whether you're running your own business, you're a teacher, a student, or maybe you're just a member of a club. Having quality documentation can make you look more professional and set you apart from everybody else. You will not believe how easy it is to actually make top quality looking documentation. Now I'm going to show you how to do this in this class. And if you're a teacher in Australia, you could use this course towards your elective PD for the Australian Teaching Standards. And you can use standards 3.44.56.26.47.4. So thanks for joining me and let's start this class.
2. Class Project: Now the project in this class is to create a quality professional looking document. Now, this could be for maybe a club that you remember of. It could be for your own business or could be maybe for school or college or university, whatever it is that you're involved in, you might want to try some of these skills and create something for this. So upload a PDF or even just a screenshot of your final document that you've been working on. I would love to see what you've been doing. I'm sure you've got some amazing and creative ideas.
3. The Importance Of Quality: Why is it important to have quality professional looking documentation? Hopefully, you're here because this is a question that you either want answered or you think you might have a bit of an idea and you're trying to achieve this. So I'm going to put it this way too. You first impressions count, whether you like it or not. This is a really important thing to remember. So if you have nice looking documentation that's laid out correctly, it's got nice images. It's got the information where it needs to be. It looks visually impressive. That's going to make you stand out from the crowd. Not only that, it's also going to allow maybe your business, if you're running business to make it look more professional and maybe even bigger than it actually is. And that's going to be beneficial for you in the long run. Because if you're trying to get clients, you want them to have that trust in you and you want them to believe that, yeah, you know what, if you are willing to put in the effort to have great looking documentation like this, then you are going to put the effort in for whatever service you're supplying to them. This is why many large companies will either have in-house publishing teams or they'll outsource it to people who specifically work in this industry to make stuff look really, really good. Now, let's say you are a teacher. Teachers, little bit different. They are still trying to aim for quality, but they are trying to aim to get their students to a certain level of quality. And the best way to do that is to model it. So if you've got great looking documents or you're hanging out to students. And they can see this and say right, okay, This is where I need to be achieving. I need to be able to make something as good as that at some point. So you're giving them that pathway and giving them that endpoint so they know where to get to. So with all that said, let's create our very first document.
4. Document Settings: To create our very
first document, we're going to need Apple pages. Now, if you have a Mac Book, you can download that
through the app store. All you need to do is just go to the Apple icon in the
top left hand corner of your computer and
then choose App store and just do a search for
Apple pages and download it. It's free, so you don't have to worry
about paying anything. You already have
the Apple computer, and it's completely
compatible. So let's do that. And then we're going
to open up Apple pages and I'll show you all
around the software. With our Macbook open, let's go to the top menu and
over in the top left corner. Click on the Apple and
let's choose App store. Once it's loaded in, we'll
do a quick search and we'll search for pages,
and there it is there. You can see I've already
got it installed, so it's actually
asking me to open it. If you haven't got it installed, then there'll be an
option to download it. If you've never
opened it before, when it first downloads, it'll be in your
applications folder. We go to the top menu
and we click on G, choose applications, and you'll find it will be
there. There it is there. I'm going to open this up. The first thing it's
going to ask is, do you want to create a
new document? Yes, I do. I'll choose new then it'll
give me the template gallery. We just want a blank file, so we'll choose Create. Now that pages is opened. I've just resized that window, so it fits a bit
nicely to the screen. The very first thing I'm
going to do actually is up here where it says Untitled. I'm going to give
this document a name. I'm going to click
on the little arrow that's next to the
word untitled there, and I will just
call this test do. That would be fine.
Now you'll notice it's currently saving in Cloud. That's actually backing up to Apple's backup
service. That's fine. If you want to back up
directly to your computer, you can just click
on that and then choose wherever
you want it to go. I'm going to leave
mine in Cloud so that way I can access it later
on on my other devices. So I've saved that. Now I want to show you over
on the right hand side, on the top corner, there's an option there that
says documents. If I click that, you can
see it opens up this panel, and this panel here shows you where all of the
page settings are. It's currently it's an A four, and I can change that
to anything I like. I'm going to leave it as a four. I've also got my header
and footers here. If I hover over on
the page itself, you can see there's a header
and then down the bottom, if I scroll down, you'll see there's
the footer as well. So I'm going to turn those off. We don't need those for
this particular document. Untick those. They're now gone. And then I'm going to untick
this, this document body. At the moment, this is working
like a word processor, but I actually don't want that. We want it as a blank sheet of paper for lack
of a better term. So we're going to untick
this and it will say, Are you sure you
want to convert? Yes, I do want to convert. And now we just have a clean blank slate that
we can work with. Now that we've got that set up, let's have a look at some of the menu so we know
where things are. On the top left hand side, we'll work from left to right,
and we'll go through this. Top left hand side, you've got this option that says view. If I click on that, we
want to turn this on. This is our thumbnails. Now we'll be able to see all of the pages that we add
to this document, we'll be here, and
we can just grab and move them around as we see fit. Next, I've got my Zoom, so maybe I want to
shrink that down a bit, so I can see the entire page. I could do that. I might I might leave that 100%
for the time being. We can adjust it as
we go if need to. Next option you have
here is add page. If I click on this,
this will then add two pages and keeps on adding more pages every
time I click on it. I can as many pages as I like, and then I can grab them
and I can drag them around in any order
that I like as well. That's handy. I'm going to have at this stage, I might start with four pages. We'll see how we
go. Moving along, we have this menu
here, the insert. You'll see that most things
are graded out at the moment, and that's fine because
we're using a blank slate, so nothing there is
going to affect us. The next option I
have there is tables, and we can insert tables, and we'll do that a little
bit later on in the class. Then we have graphs.
The same thing, we'll come to graphs a
little bit later on. Text, which is what we're going
to want to use very soon. It allows us to
create a text box. Then we have the
option to insert shapes and then
other media as well. We'll cover most of these
as we go through the class. Over here on this side, you also have this
option to collaborate. So if you're working
with somebody else, you can actually
collaborate just like you might do with
Google documents, and you can send the
details through to people, as long as they've got
an iCloud account, they will be able to collaborate on this
document with you. Then lastly, the menu over here next to the
document setting. If I click on that,
that's format. This is going to be
really important. We're going to use
this a fair bit. This is where once we start
adding stuff to the document, we're going to be
coming and changing things here quite often. So now we have our
document all set up. We understand where
everything is. It's time to move on to the
next section of the class. Let's go and have
a look at images.
5. Quality Images: In this part of the class, we're going to talk about images and why it's so important to have quality looking images. So many times I see documentation that either has the wrong image for the wrong content, or the image just isn't very, I guess, pleasing here it's got to be aesthetically pleasing. It's got to work with everything else. You're putting in your documentation, so your fonts, your colors, your images have to work with that. If they don't, it's just going to It's going to stand out and it's just going to look amateurish on. That's not what we're trying to do here. We're trying to make something that looks excellent. So what is a quality image? Well, firstly, the quality image has to be one that's definitely non pixelated. It's got to be really, really clear, sharp, in-focus, unless you're looking for a particular artistic look. So maybe there might be some motion blur or something going on, but ideally it's gotta be a nice, sharp, clear image. It's also got to suit your content. There's no point having content all about maybe a football magazine. And then you've got pictures of, I don't know, luggage that really doesn't match football and luggage. Maybe if you're going on tour. But realistically, most people aren't going to associate the two. So, you know, I mean, that's a little bit of an extreme example, I admit, but that's the idea that we're trying to understand is making sure we're selecting the images that are best for our document, whatever it is we're trying to put in. So where can we find excellent images? Well, you could just take them yourself, but maybe you're not a photographer and most people aren't going to be great photographers, let's be honest. So how do we find it? Well, luckily for us, there are some places on the Internet we can go where we can get free, stock images, royalty free. So we can use those images however we like, and we can put them in any documentation we like. Course, as with anything, we should always be giving credit to any authors or photographers that I'm taking these photos. So I'll show you how to find those and I'll show you how to put that credit in so that we're doing the right thing by the people who actually went out and created those images for you. So let's switch over to our computers and find some quality images. So with your web browser open, we're going to go to two websites. And both of these websites are linked in the resources section. So I'm going to choose this one here. This is Unsplash. And I'm going to choose pixels. I find both these sites really good. They have excellent images all throughout them. You'll find that some images on the site will be the same. Obviously they are pooling from very similar places, but at the same time there are a lot of different images depending on what it is you're looking for. So I'm gonna do a search and I say, I might choose a UX work on Cafe. We might do that. We might create a document all about a cafe today. Okay, so now you can see all these images here, all about cafes. And I'm going to select some of these images and I want to be thinking about where they might go. So I might choose this one, for example. And if I click on it, you'll see that it brings up this option here and I can choose Free Download. And also down the bottom it gives me some information. If I click on info at, he tells me all about the image itself. So if I'm looking for a particular type of image, a particular size or quality, then I can go and find that information. So if I want to use this one, I'm going to click on Free Download. And it will bring up my download box. And I'm just gonna save it to my desktop. And you'll notice here there is a citation that I can use to reference this particular photo. Now I don't actually have to do this, but it's kinda the right thing to do anyway, so I can copy that and then I might just paste that into a Google Keep note or anywhere else where you might keep notes on your computer. So I can come back to that later. Okay. I'm going to go through now and find some other images I might want to use. I might want to use this one and I might start downloading the images. Now, one of the things that I'm doing while I'm downloading these images and I'm looking for specific types. And I'm actually going to use this color scheme here. So I'm looking at this sort of color here, this sort of teal green, any sort of color. I don't know, There's probably krypton but that color, but anyway, so I'm going to be selecting images that all have that color in it. I'm going to use those so that my document, once I start pulling together, we'll start to look fairly consistent. So go ahead and spend some time, have a look at the different two sites. Find your images, get a collection of images, and then we will bring them altogether in our document. Now you should have a collection of quality images that you can use depending on what your document that you're creating is about. And hopefully this is all going to fit in very, very nicely. And we should end up having something that looks really, really good by the end of this class. In the next section of the class, we're going to take those images and we're going to put them into the document and start moving them around and making them look presentable.
6. Working With Images: In this section of the class, I'm going to show you how to bring in the images that you've just found and you've collected and have a manipulate them so they look presentable in your document. We're also going to look at how to make a title page because even though a lot of documents might not have thought of pages, I think it's important because depending what you're doing, It's always nice to have a title page really, really stands out. I'm also going to show you how to lock all of your elements. And that's an important skill because that's going to cause problems if we don't, things will shift around and you want your elements locked in place so that your document just looks nice. So let's get to the computer and see how to do this. All right, So now that you've got a collection of images, I've got mine here just to my desktop. I'm going to now start bringing them into the document. And we'll start with the first page. I'm gonna make this a title page. So I'm going to grab my image, the tree just then drag and drop it straight across. And it'll bring in. And what I can do with this now is I can click on it and I can grab the corners or the sides and I can make it the size I want. Now, I actually want this image to take up the whole page. So I'm going to drag that over. And you'll notice that the scale isn't perfect, so it doesn't fit the whole page. So that doesn't matter to me. I'm just gonna drag that out. And there we go. And I've actually moved around and get it where I want it. And that's now covering whole page. Now there is another way to do this. And I'm going to show you, I'm gonna show you why I've chosen to do it this way. So I'm going to click on it, hit the delete key, and it goes away. And now over here on my format option, you can see it says blank and background got no fill. And if I choose that, I've got different color fills, which we'll come to later on. And I can choose image. If I chose image, I can then choose the image I want. And I can go and find the image I'm going to use. And I opened it up and I'll put in for me. Now. The reason I don't do that is because now it's locked in place and I can't move it no matter what I do, that image is stuck. So I'm just going to get rid of that. So I'm going to press commands, Ed. I go back a bit and I'm going to drag my image in and I'll show exactly what I'm talking about. So if I get that lined up where I wanted, because obviously the image is bigger than the page. I might want to move that around. And maybe I want, maybe you want this section more obvious rather than having that hidden away. So you see that? So that's why I always do it this way. I don't use that fill option so I can get my my page looking good. Okay. So I'm happy with that. I'm going to drag that over and put that there. And now I'm going to show the most important thing. You need to either control and then click on the mouse or right-click. And you'll get this menu. And you'll see this option here it says lock with a click on that. That's really important because what it does is it locks in place now, so now I can't move it. And that'll be important later on because later on we're going to add some more things here and we don't want things getting a little bit skewed and going missing, et cetera. So it's going to make your life much easier. I can also do that. I can unlock it by right-clicking and I can choose unlock. And there you go. I can now grab it and move it Again. Lock that. And I can also do this under the, if I choose the format and Arrange. You can see there's an option down there. It says unlock. And I can do it that way too. So range. And I can all see lock it back again. There we go. Now, I can also do some things to this image. I can change it a little bit, which I'm going to do. So I'm actually going to unlock that image. And with my formatting option over here, if I click on image, you can see there's some stuff I can do. I can choose replace it or replace another image into there. Or I can actually edit the exposure saturation and even a bit of the color of it. So if I click on this here, brings up this little panel, and this allows me then to adjust the image. So if I want the image a little bit darker, I can just bring down the exposure down. I might do that I'm good at. And there's a reason I'm gonna do this is because I'm going to put some writing on it later on. I might want to bring the contrast up a little bit. Maybe not too much, just a little bit. And then I can also choose a saturation if I want to adjust that. Now much econ, happy with that. So I'm going to leave that in the center. There. There we go. And I can also adjust some other options there too. So I'm going to leave it at that. That's I'm happy with that. And I'll make sure I've locked that down. There we go. That images now edited. So now the image for the title pages done, I'm going to go through these other pages here, and I'm going to add some more images to these and get them roughly where I want them to be. So start with this second page. This page might be the table of contents page. So I'm going to grab my next image and bring it in. And with this image, what I'm going to do is I'm going to position it maybe about here. I might move this later on. If I double-click on the image, you can see I get this little option down the bottom and I can actually enlarge that. Or I can also crop it. I can then grab the edge of that image and I can drag that over. And you can see that I've actually just crop that right down. Then I can grab the image and I can move it across. So it can actually center on, get it at the way I want it to look. So I think I might, might click down on that. I might crop that a bit further. Maybe. Maybe that's too thin. And you can just play around with this until you get it the way you want it. Okay? That'll do for the time being. I'm just going to leave that there and I'm gonna do the same thing with another image. So I'll bring another image in. And then I'm gonna do the same thing here. And this time what I'm gonna do, I'm going to sit these other top now, actually, this one here, I need to lock it down so I can lock that. And I sit this out of the top so that way I can get the same dimensions. That looks pretty close. Yep. Happy with that. So I'm going to put that there. And then I'm going to do the same thing with another image. Another image over. There we go. Oh, I remember. Lock down your images so they don't move. When I'm moving it around, you'll see those yellow lines. So that's giving me the guide so I know where things have to go. So if I grab the middle one now just lock this one, unlocked the middle one. And I can move that can find the central line. So that's the center. That's the exact center of the page. So actually want to move that up a little bit. And I'm going to grab this one. Drag that down a little bit. Actually, no, leave that there. What I'm gonna do, I'm gonna shorten these. I think these are gonna be too long. So I'm going to grab the top there, pull that down. Yep. I think that's I think I'll do that. So I'm going to make all of those same as this one. Now. There we go. And now I'm going to move that into place. I want that one there. Lock them in. Again. I'm probably going to come back to this because I'm nervous. I got some gaps on the are not happy with it at the moment, but we're going to put it in place for time being. We'll come back to that later. Now we're gonna move on to the next page. And I'm going to add another image into this page. And I want to make things look a little bit different. So, so far we've got an image on the front page and our title page, which is important mode at these two images which are important mode and this one now I'm going to put it in landscape mode. So it just breaks it up a little bit, makes it look a little nicer. So again, doing the same trick, I'm going to drag that across, lock into place. So I'm happy with that. And on my next page, I might also have another image. I might make this the entire page as well. So again, just drag that across, making it fit the whole page. And I really want that kind of green looking couch in there. So I'm going to put that like that and then and then lock that in place. Basically, that's all you've got to do is move around your document, editing, changing, and just getting things where you want them. For the time being. When we start looking at the text and the next part of the class, you'll see that we'll start having to move these around a little bit more, just a suit where that text might be. But for the time being, that's looking pretty good. Now, we've got our images in place into our document. They look good. We're happy with a going to B. We can come back later on and add a little bit more and change things up as we go. But for the time being, we're going to move on to the next part of this class, which is going to be all about inserting our text.
7. Working With Text: Now it's time to add some text to your document. So we've got images in place. We know roughly where they want to be. Obviously, we can move them around later on and may we add extra images later on? But for this document, Let's now just get into adding the text. And I'm going to show you how to do this because it's not just a matter of just typing anywhere. We actually want to use text boxes, which we can adjust, change size, and move around on the page. Again, let's grab our computers and I will take you through this process of getting the text in correctly. Now it's time to insert some text and we're going to start with the title page. So I'm going to go up to the top menu and I'm going to choose texts, and that will create a textbox. Now it's a little bit hard to see over the top of this image because image is quite busy. But you can see it is there. So I'm going to now highlight the type to enter text in there. And I'm going to call this way, we will call this cafe review. And then I'm going to highlight that text. And over here on my formatting side, over on the right, this is where I can change everything about my texts. So let's say we might change it to white and we might make it obviously much bigger than that. So let's bring it up to maybe 150. Okay, that's probably not too bad. And then we can change the font. So I might find a, another font that I might like a little bit more than the one that's there. There we go. Now, you'll notice when I've done this because the textbox isn't that big and you can't see all the text. But hopefully you can see there's a little plus symbol down the bottom. And that's telling you that there's something that text box that is unable to be seen. So if I click on the text box, I can drag that down and make it the right size and shape. There we go. Now, I'm looking at that thinking, okay, that's probably a bit too big. So I'm going to reduce that size. So go over here, maybe make this 100 instead of 150. That might make a bit of a difference. And I might, I might also bold that as well. In fact, what might be a little bigger? Let's make it 120. You can play around with this as much as you like, depending on your document and getting it where you want it to go. Okay. So now I've got that, I've moved that into place. Might have it there. And you can see now why I edited that image before, why I made it little bit darker so that this can actually stand out. And I could, even if I was still not happy with it, maybe as unlock it. And let's go and have a look at the Image Options. And we might decide, let's see, maybe we can change some of the colors on that as well. Let's just grab the temperature and we can kind of change that. We make it a little bit warmer. Maybe you want to make it a little bit cooler. Which I might make that lipid. Little bit warmer maybe. And then I can change the tint as well. Maybe I want that a little bit. Yeah, maybe I want a little bit greener. So it kind of fits in with the rest of the theme that's going to be going through this document. There we go. I'm kinda happy with that now. So you can see that it's actually standing out a little bit nicer. Now, I've made sure always lock. So my image is now locked in. I'm going to just shrink my textbox there, so it's kinda out of the way. And then I will lock that down as well, just like my images. And maybe I need something else on here. So let's add some more text. So again, at the textbox, and we'll add here, maybe. There we go. And I won't put that down towards the bottom down there. There we go. And start a look. Okay. So now I'll move on to my next page. So this I decided was going to be the table of contents. So I'm going to do the exact same things I just did up there. I'm going to add in my text box and I'm going to call it table of contents. So clicking on my page and then choosing text. Now with this text box, well, I'm going to do is I'm going to center it. I'm going to make this look a little bit different. So I'm actually going to grab that and just italicize that just so it looks a little bit different. I might make this word a little bit bigger. This is just all artistic. It really doesn't matter what you do with it is depends on what you want it to look like. I'm just making it look a little bit bigger, so kinda looks a bit fancy. Okay, Now at this point, I want to show you how you can arrange elements on the page. So if I drag that down, you can see that it's actually sitting over the top. But if I unlock my image, what I can do is I can choose any elements as anything that's on the page. And we'll start with this one. And if I go to my arrange option here and a format, I can actually decide where it's going to be. So maybe I want that to go towards the back. So if I click on the back, you can now see that this image is actually sitting over the top of it. So I actually want this image to be at the back. So I might send that one to the back and they go. So I can raise things and different layers, which is really helpful for us later on. Okay, now that I've got the heading there, you'll notice if I go on my texts and then over here, you can see that I've got this option here. And it's actually told me that section called body dot probably want that to be a heading. So I might make that heading and it's going to throw things out a little bit, but that's okay because I can fix that up now and go back to where I was before. Okay. Now the reason why I've done that is because if I was going to put in a traditional table of contents later on, then I want it to automatically pick it up. So the same thing goes back from here. I probably should have made this. I should have made this a title. Instead of leaving as body, I should have made it a title and then fix it up from there. But I'm not going to be doing that. So I'm not that concerned. Okay, Moving back to our page here. Now, I'm happy with that. I'm going to move these images around a little bit, as I mentioned before. So I'm going to unlock them. And I'm going to bring that up to about there. Bring this one. Maybe two there. Make that one the same. Now, as I mentioned before, it wasn't real happy with these gaps. So that means I've got my measurements are a little bit. So I'm going to have to fix that slightly. There we go. It's only a slight change. Most people won't notice that. Now what I'm gonna do with these images, I'm actually going to use these as my reference for the table of contents. So this image here, I would make sure that that image appears on the page. I'm going to reference two, so I'm going to grab a text box and I'll show you what I mean. So I'm going to put this in here. Maybe this is going to be page 3. I like that my hip little bit bigger and white again. There we go. I've centered up. I'm happy with that. That's going to be my page number. Now what I'm gonna do is I'm going to copy that. I'm going to press Command C and then Command V. And I'm going to drag that over so it stays the same. And then again, I'll do the same thing over here using my guides to line everything up. And then I can let you just change a number. Maybe that is maybe number 6, and maybe this is going to be number 13. Make it 12. And there we go. So now we're starting to get a little bit of an idea of our table of contents. And I might want to have a little bit of a blurb underneath each one of these as well. So I'm going to add some text box there. Drag this down and I might cut and paste some text. Now I've got my text in there. I'm just going to justify it so it looks nice and neat. And again, I'll bring up the text size on that. Grab that, pull that in. And I would do the same thing. Again just as I did before. Copy and paste it, and then change your text if need be. But for this demonstration, I'm literally just going to drag them in place because I'm literally just showing you how to get it all nice and neat. So there we go and unlock again. Okay, moving on to the next page. Same sort of thing. Just, I'm going to add a text box here. Drag in place. Now two text boxes and I won. One's going to be heading, one will be the text. Now what I'm doing here is I'm actually I've got my two textboxes and finding the center line and then just moving it off, trying to find that noise even spot. So it looks good. And then locking everything down. So that's starting to look quite nice now, I'm kinda happy with that. And if I was going to be referencing the photographers at this point, I'll probably just create a little text box and put it down in the corner there. Just paste in the information that we got from the websites when we're grabbing these images. Other than that, this is now starting to come together. Okay, now that we've got ticks and our document, it is starting to look like something we might want to use, but there is still more that we can do to make it stand out and look at that little bit more professional. And I'm going to show you that in the next two sections of this class. So stick around and see what else we can do.
8. Working With Shapes: So this section of the class, we're going to look at shapes and how we can use them in our document to color in different parts of the page. Or maybe just make things stand out a little bit more as opposed to just using a textbox and coloring in textbooks, we can kind of use shapes to do similar sorts of things. Now, if this is something that you're not really interested in doing them, feel free to skip to the next section. But if not, please follow along and I'm going to show you how to make things. Pop a little bit more from the page. So grab your computer unless go, adding shapes can really make your document pop. So what I'm going to do, I'm going to go down to this page here. So this is the one where I've got an entire image on there. And I'm going to add a box or a shape in here and I'm gonna make it look really nice. Now I should mention before when we were doing this stuff here where the text box, if I just unlock it, I could have colored this textbox in. And I could have done that by simply selecting the box and then going to the format option here. And then I could choose a style and I could have filled that in, in different color. Or I could add borders as a few other things I could have done to it, but didn't actually want to do any of that. And there's a reason for that because I think doing with shapes, it comes out a little bit nicer and I'm gonna give you an example. So let's put a text box here. And I'm just going to drop some text in there. And I'm going to color the text box. So you can see what I'm talking about much. Use this color here. Make it a little bit bigger, right? So I can do that and yeah, it doesn't look too bad. But my text is right up against the edge of that box even if I drag it out. So I'm going to have to play around with the margins of the textbox and There's a fair bit of work I've got do to try and make this look somewhat neater than what it is now. And also, if I change this option here on the formatting section quarter opacity, It's going to blend into the background, but I also lose the text as well, so actually don't wanna do that. So I'm going to get rid of that. I'm going to select that box, get rid of it. And I'm going to use a shape to do a similar sort of thing. And you'll see it's going to work much better. So I'm going to choose shapes from the top menu. And in this case you use it whole bunch of different shapes I could use. But I just want to use a square, bring that up, and then make it a little bit bigger. And now what I can do with it is find the color I want. And I'm going to choose this color here because it's very close to my theme, but that's just a preset color. I want to actually edit that and get a little bit closer. So I'm going to click on the color wheel here on my format option. And now I can actually adjust that to make it a bit more like the color of the lounge there. So that's kinda that's pretty close to that will do. Now I'm happy with that. I can put it where I want it to go. And now when I adjust this option here, it says opacity that can fade into the background a little bit. Maybe like that. And now I'm going to lock that in place. And I'm going to add a text box over the top of it. Paste in my text, adjust my text box and my text size and color. Here we go. And now I have much more control over how that actually looks on that background. And now I can go back to that background. Now, be mindful when you're doing this. Sometimes it can be a little bit sticky, so I'm trying to grab hold of that. And what it's doing is grabbing everything in the back and you can see I grab that image and then I just want that bit there. And if I unlock what's going to happen, it's going to grab all of this, which is what I don't want. So sometimes you have to just be a little bit patient, play around and maybe try and lock that and just get the one you're after. So it can be a little bit frustrating at times, but you'll kinda get the hang of it. And I think I want to increase dark and a little bit better. There we go. That's a bit nicer maybe. And there we go. So that's going to look a lot nicer. Then if I did it with just a straight text box. Now, I can also add some other shapes in there. So maybe I want, might type in coffee. There we go, coffee mug and I can grab a coffee mug, drop it down there. And again, I'm going to try to get the same saw color I had before. Maybe it was the one I was using before. So there we go. That's got it. And this time I might add some extra money, give it a bit of a border. Actually that's a little bit thick border. And I might even give it a little bit of a drop shadow just pops from the page a little bit. And I might put that down there and then lock that in place. So you can see by adding in different shapes, you can help things stand out a lot better. And it just, it just looks much nicer than doing that with a straight textbox. Now that you have some shapes in your document, you've got some colored sections. It's starting to pop and it's starting to look really professional. The next section, I'm going to talk about graphs and tables now, you may not need those, so feel free to skip that and go straight to the section where we talk about exporting your documents and getting them ready for printing, etc. If not, stick around and we will look at how to add the tables and graphs.
9. Tables & Graphs: Many professional documents have tables and graphs in them. This is actually quite easy to do in pages. And in this section of the class, I'm going to take you through and show you how to do that. So grab your computer and let's try this out. So to insert tables and grasses, actually really easy. So what I'm going to do here, I'm going to create a new page. So I'm going to choose a new page option. And I'm going to sit this page up first, probably with a table. We might start with a table. So I'm going to go up to the table option and choose Tables. And here I've got a whole bunch of preset tables I can use. And I can change and edit to it I like with, so I might find something. Let's have a look. Let's just start with a basic one. We'll start with that. Now I'm going to drag this roughly to where I want it. Now in this case, I want to choose the amount of rows and columns I've got. So I can do that by clicking this little icon down here at the bottom row. And I can change that to seven. And then I might have maybe just four columns. It's already got four columns. So that kinda works well for me. So now I want to recolor them. I'm going to try and keep with my color scheme. So I'm going to highlight these. And just like I did with everything else before over here on your formatting option, I can then choose what I want and I'm going to choose cell. And the color is going to be that color there because that's pretty close to what I'm using. And then I might color these ones in. And the same thing cell. I'm going to choose the color and I might go with a lighter color for this one. And while I'm at it, I'm going to make sure all my texts in these boxes is white. So I just select all and I'm just selecting all there. I'm just clicking and holding the Shift down. So I can grab all of those cells and I can choose that text color to be white. Now, I'm going to put some headings in here. So because this has to do with cafes, I might call this area. Maybe I'm writing how well this particular cafe is working. And I might want to center those. I'm just gonna highlight those, go to my text formatting choose center. There we go. And then I might put some items here. There we go. Maybe I want to make those all center as well. Now I can change the dimensions of this table simply by just grabbing it and dragging it around. So I might. My ego main might make it like that maybe now it's a little bit deceptive because when you're grabbing hold of the table, you got these guides appearing here. So when I click out from the table, it might look a little bit odd because you're, you're visually trying to look at the whole thing and this is kind of getting in the way. So might leave it like that for the time being, I can always come back and change it now to lock a table down, I select it. And then over here I've got my Arrange options, and then I'll lock it there. So normally I would just right-click or control-click something to lock. But because this is a table that brings up other menu functions, this is the way I have to do it. So my lock that in place, that's there now as solid. And now I'm going to insert a graph. So to do that, I go up to the top menu here and I'll choose graph. And again, just like tables, there is a whole bunch of different types of graphs I can use. This 3D graphs is interactive graphs. I'm just going to choose a 2D graph. Maybe I might choose, I choose that one. And there we go. The graph is in. Now to edit the data, I just need to click on the little Edit Data Link and I can change anything here that I need. So maybe I might change that. Maybe I could of course shop one. Whoops. Maybe call that shocked too. And then I can obviously change any data that I needed to there. And what I can do here is I can also change the colors. So I select it. Select graph from the formatting options. Again, you can see graph colors, so I can actually choose a color scheme that's already there. Or I can also choose something else, textures. Now we might choose something like that or not quite happy with it. So I think I might edit the color manually. So I do that by going over to the style. And I'm going to, again, I'm going to find one the color I want not there, so I'm going to have to manually do it through here, through the color wheel. Again. Bring that down to a That's pretty close for this example, and then choose that one and I'll do the same thing. Make that a little bit lighter. There we go, pretty close. And again, I can do the same thing. I can grab this graph and I can stretch it and move it around. And depending on what you want to do with your document, depends on how this might look. Now, I'm going to stretch that out because I would probably want to put a text box in here too, with some information explaining what all of this is about. So I might do that. Without that. They can see I've locked more down. And that is how you put tables and graphs in. Really, really easy and really, really quickly. There we go. Now you have some table and some graphs in your document. And hopefully it looks really, really good and you're really happy with it. The next part of this class is all about exporting that document so that it's ready for whether it be printing or sending online, whatever the case may be. That's what we're going to be dealing with next.
10. Exporting: If you've got this file well done, you should have a really good-looking document that youre quite proud of. Now we need to export it. Now there's a few options we can use in pages and then take you through and explain to you the different ones and where you might use them, where you might not. So again, let's grab the computer and let's have a look and see what we need to do to get your pages document exported and ready to go export our document, all we need to do is firstly, make sure that we've got saved, so we'll double-check. Now, one of the good things about pages is it's constantly, always saving in the background. So I didn't have to worry about saving as I went and it's also backing up to my iCloud. So that way I also know that this is safely backed up elsewhere so I can always come back to it later on another device at another place. So just exported. We'll go up to our top menu and choose file. And then we'll go export to. Now we have a whole bunch of options here. We have a PDF, word, ePub, plain text, rich text format, or pages O nine. If you have an older machine that's still running the old version of pages, then that might be the one that you want to use. Then we have the option ePub, which you might want to use if you want to export out your document as an electronic book, that's going to be put on the Apple Books application, you're probably not likely to use it that often and sometimes when you do do that, if you haven't set the document up correctly, then the formatting and get a little bit skew E. So that's probably not a great way of doing things unless you were really planning on building an ePub and you'd go through a few different steps to make sure that happens correctly. The most likely options you're going to use are going to be PDF Word document. At this point, I need to explain that they are going to be some formatting differences if you export your pages document to Microsoft Word. And that's because pages is really a word processor end a desktop publishing software. It's kind of both, whereas marks off word is primarily just a word processor. It doesn't really do too much more than that. That becomes problematic because if you had textboxes and you have various shapes and other elements that are locked into your pages document when you transfer it out, Microsoft Word doesn't know what to do with it. So it tries to figure out as best it can and it may not look back, crash hot. So just please keep that in mind. Generally, if you are going to explore a pages document, probably the best format is to export it into a PDF file unless is not heavily formatted. Maybe depending on what you've put on there, it will translate okay, two marks off word, but always be on the safe side. Pdf will work every time. So for this example, we're going to use PDF. That's usually the best thing to use. So I'm gonna choose PDF and it will bring up this box here. And again, it gives me those same options again, depending on what I was looking for. So in this case, I'm choosing PDF. The image quality will obviously I want it to be the best I can, so it looks good. Do I want to include any comments or don't include any smart annotations or require a password. Now I don't need any of those. The event options is literally just burnt accessibility. I don't have to worry about any of that. I can just click the Next button. And it will now ask, where do you want to save it? And I'm just going to save it to my desktop export. And it will do its thing. And there we go. And if I just move this out of the way, you can see here. There it is exported out as a PDF file and looking fantastic. Congratulations, you have now exported out your first professional quality document in Pages. I hope you're happy with the result. Now it's time to wrap up this class.
11. Lesson Wrap Up: Now you have your finished quality professional looking document that you can use. Foil the purpose it is that you require. And you've also learned the skills to be able to go ahead and expand on that document or even create brand new ones depending on what you need them for.
