Together we will write a project plan for your small video production. This will catapult you from just having an idea for a video to having a tool with which you can bring that idea to life in a manageable amount of time.

In this class you will learn to structure your idea and to write a project plan, which can mainly be used for video projects, but also for animation projects or photo shoots. The class also provides you with motivational tools to set the vision for your project in motion and make it a reality.

This class is aimed at Beginners and can be used for both personal and professional video projects.

The good news: No special software or equipment is required for this class.  It is entirely up to you whether you write your plan in Pages, Word, or some other writing software. You can even write it by hand, which might even boost your creative flow. To make your work a little bit easier at the beginning, I will provide you with a template in the “Resources” section of this class. 

The techniques shown in this class are all used in my professional video projects of my company Frau Zuckerguss.

1. Introduction: Hi, my name is Madeleine. I'm a video content creator and illustration artist based in Vienna, Austria in Europe, where I'm leading a multimedia and PR agency. I've been working on PR films, both animated and real, since about 10 years. I've been in small and bigger film projects for the companies I've been working for. I've been writing scripts and organized the projects from beginning to end. A few years ago, I started to get more and more interested in producing video projects by myself, which I started offering within my own agency. Throughout this class, I'll teach you how to get started with your small video production by planning and organizing it properly. All of us have been there, not knowing where to start. I will show you strategies and tips to get your project planned and concepted. You will then use these skills to create your own project plan, which will catapult you from just having an idea for a video, to having a tool with which you can bring that idea to life in a manageable amount of time. This class is aimed at beginners who are starting with their first small video productions. It doesn't matter if it is a personal or a professional project, I'm using these techniques I'm going to teach you for both kinds of projects. In this class you will learn to structure your idea and to write a project plan, which can mainly be used for video projects but also for animation projects or photoshoots. The class also provides you with motivational tools to set the vision for your project in motion and make it a reality. Let's meet in the next lesson where we're going to talk about your class project. See you there. 2. Class Project: Welcome back. In this part of the class, we're going to talk about your class project, which will be to write a project plan for your small video production. I'm doing this always when I'm doing projects, even if they are private and just small productions. I'm doing for myself because what I found out is that if you think everything through and this is what we're actually going to do with this project plan. We're going to think about every small detail. Once you're working on your filming production, you have answered all these questions and it will be very easy to finish on your project. I structured our class project in three parts. Three work packages which will cover your idea for the production. Deadlines, which is my favorite part of writing a project because once you planned the deadlines, you know when it's going to end. You know when you're going to be finished with your project and this is very good to have your goal set on a date. We'll also going to cover technical details a little bit and very, very important part; the production goal. We're going to set that, as well as writing an elevator pitch for your project so you will be able to talk about your project wherever you will go. But before we're going to do that, we're going to remove the blockers. Everything that comes in your way before starting the project, we're going to think about that. We're going to talk about that and we're going to make you able to start and finish your project. Let's have a look at the work packages. In just three work packages, we define a clean and structured path for your production. After you have finished writing it, all you have to do is to follow your plan to create your perfect video. Voila. Work package 1. In this work package, we will get inspired to write down the first idea of the project, talk about which steps to production is likely to go through and set deadlines. Work package 2; conception. Let's get technical. We need to know who we are producing for and what technical details we need to consider for our project. These snippets of information are critical to filming, editing, and broadcasting your finished video. Work package 3; concept, and part 2, let's put it in a nutshell. Now that we have the first idea for your project, we will define the goal of production and write your elevator pitch. This trick length description is the first thing that you tell about your project wherever you talk about it. Then, we'll have a bonus package. This will be something that keeps you motivated to finish your project on time. We're going to set your production goal, your personal production goal. This could be, for example, something that you haven't tried before and want to try it. So we're going to write this down as well. I've provided some fill out forms for your project plan in the resources section of this class. It's entirely up to you whether you prefer to use them with me or whether you use your own tools like pen and paper or another text editor. Please share as many of your project plans as you'd like by uploading them to your project section. If you don't want to share your entire project plan, why not just share your elevator pitch and/or your personal goals? The template for this is provided in the resources section of this class. Please don't hesitate to get in touch if you have any questions or need help and see you in the next lesson. 3. Removing Blockers: Welcome back. We're going to talk about removing blockers. Let's quickly remove all the blockers that come in our way to get this project started. What are these blockers? It is always things that keep us from doing something, that keep us from starting a project or something that keeps us from finishing something. I want to name these two things. For me, it is the doubts I have and the time I have or don't have. Let's talk about the doubts. I think it's very normal to have doubts. Even if you have done thousands of projects and you've done thousands of amazing projects, you're going to have doubts because there's always something to be better in, or there's always things you haven't achieved yet. Even people who have big careers and are very professional, they have those doubts, and I guess it's very normal. It's super normal to have doubts. Can I really do that? Do I have enough experience to do this? Can I cover the technical aspects? What if I lose the main goal of my project? Some days these doubts come into my mind even if I have already finished similar projects. It doesn't help to think things over 1,000 times, you can only find out if you try. I'm looking at projects from other people and I see how professional they are and how amazing they're doing and how beautiful their outcome is, and sometimes I cannot keep those doubts away when I'm seeing these projects and I think, "Okay. I'm not already there or I'm I? I'm I as good as that or can I make things like that?" It's something you have to approach your doubts. You have to approach them and this is what I want you to do right now. Take one or two minutes, take a piece of paper or your mobile phone in the notes section, and write down the doubts you have about your project. Once you've written them down, look at them and tell them, "I'll prove to you, I can do this." This will help. It's as easy as just with digital help. The second biggest blocker I know is time. We all know that projects are planned in your head. I want to do this, I want to do that, and then it's going to get delayed, delayed, delayed because there's always something that needs your time. We're grownups, we have so many projects, we have work, we have plans. Some of us have family we have to take care of, we have pets, we have the next Netflix series, we're going to have to binge-watch, and there's always something to do. This can only be stopped by setting yourself a deadline in the very near future. For example, I'm going to add this project plan right now, while I'm taking this class. Writing it in your calendar and getting a reminder, will help you get started. With your project plan for your small video production, we're going to do this right now. We're going to start right now writing your project plan. This is the start, and we're going to set deadlines for your projects, so this is not going to happen to you. Let's get started. We'll meet in the next lesson, where we're going to start working on our work packages. See you there. 4. Workpackage 1 Planning 1/2: In this work package, we're going to get inspired to write down the first idea for your project. Writing down your idea is probably the most essential part of your project. But don't make it bigger than it is. Everything you write at this point is absolutely correct. This is your idea, your project. Even if this is a professional project, your clients want you to bring the idea to screen. But in order to find your own perspective, we need to know what our options are. So I want to encourage you to look at other projects. Think about, what do I like about this project? What is it I don't like about this project? What is it I can learn from this project for my own idea? Before we're going to write this down, I want you to think about the following. What kind of videos do I like? This can be funny videos of animals or videos that are full of action or videos with a sci-fi touch. What is my favorite video and why? Do I like the effects? Is it the story that got you? Is it the actress or music? What is it that makes this video so good? Does it make me happy? Does it touch? What kind of emotions does it wake in me? Now's the time for your idea, and what we need to write down is a story. That's what we're going to work on right now. No matter what subject you're working on, what I wanted to do is take a piece of paper or the notes app on your mobile phone or your laptop, whatever you take, it's okay to me. It doesn't matter where you write it on, and we're going to ask ourselves the following questions and answer them. What or who is the subject of my story? What is it my subject wants to succeed in? What is its main goal? Why should this be interesting to me? What happens in the end? How do I get there? Don't take too much time. Five minutes enough, because the idea is already inside of you and you just have to write it down. Don't take too much time from it. After you've written it down, let's meet back here and go to the next lesson where we'll finish our planning. See you there. 5. Workpackage 1 Planning 2/2: Now that we've written down the idea for your project, let's talk about which steps your production is likely to go through and set deadlines. I really like to have a goal ahead. I really like to know that I have three weeks, two weeks, one week to go. I have two days to finish up on my project and then it will be finally finished. This is something that keeps me going. If you don't have that pacemaker of deadlines, it's really hard to finish the project in a certain amount of time or finish it ever because it's going to lay there and yes, I need to do that, I'm going to do that sometimes. It's always a very good feeling to meet your deadline. Let's do it. Setting deadlines is especially important when you're working with other people. But even if you're working alone, a deadline can help get things done. The goal of course should be to meet your deadline. But even if it happens that you have to delay it, there is a bit more pressure if you have a deadline compared to having all the time in the world, I recommend writing your deadlines into a simple spreadsheet like the one I've provided for you in the resources section of the class. Once you have your data set, you can use it as it is convenient for you. Some people like to work with Gantt charts to make the project visible on the timeline. Others like to use online project management tools. It is up to your taste and how you can work the best. Personally, I'm a bit minimalist when it comes to tools and apps. On small projects like the one we're currently working on, I will just work with a spreadsheet and calendar of my computer and mobile phone. If necessary, this also has a reminder function. It's that simple. Before I want you to set your deadlines, let's talk about which steps your production is likely to go through because for these steps, we're going to set the deadlines later. Production steps. When I'm planning a small video production, I plan in three steps. First step; planning, conception, and organization. Second step; video shooting and edit. Third step; corrections, finalize, and end of project. The first step, planning, consumption and organization is the most important. It includes the creation of a project plan with clear workpackages and setting deadlines, what we're currently doing. It also contains the definition of the output format and the content of the film, and the creation of the script and the storyboard. As organizational tasks, I always have the following on my list to provide the company's corporate design, especially the logo, choosing the music for the video, approval of the script, and the storyboard. The second step, video shooting and edit, contains the organization of the interview partners, determination of a shooting day for filming, organization of filming permits, editing of the filming material, the determination of date for the first draft. The third step, corrections, finalize, and the end of project contains a stage of correction rounds and a date for the completion of the final film. Now that we know what to think of, it's time to set deadlines for our project. Please remember nothing is set in stone. You can always juggle around with the deadlines. But when I'm working with clients, most of the time they already know when they want to finish their project, when they want to broadcast it. Mostly it's an event they want to have the video for and then I'm going to plan the deadlines by myself. I'm going to show it to the client and we're going to match it up with their calendars. But I'm also using deadlines for my private projects as a pacemaker to keep me busy and to really keep me finishing my project. I can really only recommend doing this. Now, I want you to take some time, 10-15 should minutes should be enough to set deadlines for your project. For this assignment, I encourage you to use the template I've provided in the resources section of this class. I recommend setting the dates backwards from the time the final film is completed to haw the project plan was created today. Of course, you can add as much to this list as you need for your project. Once you've set your deadlines, let's meet in the next lesson to move on to the conceptual part of a project. 6. Workpackage 2 Conception 1/2: Let's get technical. We need to know who we are producing for and what technical details we need to consider when we are filming. This little snippets of information we are going to collect right now are going to be critical when it comes to filming, editing, and broadcasting your video. Here is the bad news. The all-in-one solution in video formats doesn't exist, almost every platform plays by its own rules. This starts with the formats, and ends with the preferred frame rate. For example, if you record a video for YouTube and use the same material for Instagram stories, it will not work properly. There's always a little compromise and therefore, I highly recommend to you to think about which is the perfect platform to broadcast your video, and then you can also broadcast it in on other platforms. It's okay if it doesn't fit perfectly, but on the platform you want to mainly use it, it fits in perfectly. I'm always trying these things down in my project plan, mainly because most of the times I'm working only on one project but on many. Then when I'm working on it, I'm just taking my plan, I'm looking at it and I'll see, okay, these are the technical details I need to keep in mind for filming, editing, broadcasting my video. I don't want to go too far into technical details in this class, because tech can get out of date so quickly and there are so many different social media platforms out there. I encourage you to do the same as I do and type social media video specs, into the search engine of your choice. There are hundreds of thousands of blogs posting updated content about that, I'll also provide a link for you in the Resources section of this class. Copy, paste the technical details of the platform you have chosen for your project, and meet me in the next lesson to complete our concept. 7. Workpackage 3 Conception 2/2: Let's put it in a nutshell. Now that we have the idea for our project and we have the deadlines, we're going to work on our elevator pitch. The elevator pitch is a tweet length description of your project, and it is the first thing you're going to tell to anybody out there about your project. The elevator pitch can be trained very easily, like it said in its name, in every elevator. If you're a person like me, it comes very naturally to you. You can train it everywhere, and I've been training it my whole life because I don't like the situation you're in an elevator when there are a lot of people standing around, maybe the building is very high and you have to wait and wait and wait and nobody is talking, and I really hate that situation. That's why I've used the elevator pitch all my life. I've been working in PR for about 10 years, and when I went to the office building with the elevator, I used the elevator for the internal communication and talking about projects we were doing in my companies or the next events we were going to host, and you don't have a lot of time doing it in an elevator, that's why the elevator pitch comes so handy. You have two or three sentences you're going to say, it's breaking the ice, and everybody knows about your project after these three sentences. The main idea is to make our story short before we're going to make it long in the script. This is very helpful when it comes to marketing and advertising your project or finding other people working with you on this project. You have these three or four sentences you're going to tell about your project, and everybody will know after these three or four sentences, what they can expect, what you're working on and why are you so excited about it? But how can you make a long story short? I think the point is to ask yourself these questions and answer them: what is the story in one sentence? What makes you interested in your idea? How are you going to show this in your video? Remember what we've asked ourselves in the first part. What or who is the subject of my story? What is it my subject wants to succeed in? What is its main goal? Why should this be interesting to me? What happens in the end? How do I get there? Take these notes, set yourself a timer, and answer the following questions: what is the story in one sentence? What are you interested in your idea? How are you going to show this in your video? Once you've noted your elevator pitch in your project plan, let's meet in the next lesson, which is already the bonus package, we were so fast. Will be 10-15 minutes enough to set your 2-3 sentences for your project. Again, don't take too much time. You have the idea inside yourself, and you can still rework it always when you're doing the project. I'm looking forward to seeing you in the next lesson. 8. Skillshare SmallVPFB Projectplan 8 Bonuspackage: Here we are at the bonus package. To keep yourself motivated to finish your project on time, I want you to set yourself a personal goal. Even if it's for private production, but also if it's a production for your clients, you should find some fun for yourself in this project and follow it. You have to keep your personal goal in mind and the fun you're feeling while producing your video is going to be felt by the audience once you've finished up your project. That's what I'm really sure about, is if you're having fun, if you really enjoy your project, this is something you can see in the end. Let's see what this could be. Is there a tool or technique, something you haven't tried yet and that you could try right now? Or do you want to improve your screen writing skills and set this as your personal goal? Do you want to add some beauty shots in the film and especially keep an eye on colors in your video? I really want to encourage you to write your personal goal in your project plan and to follow it during your project because it's about your own well-being and it's about your fun and this should be something that you have always to keep in mind. Once you've written it down, let's meet up for the last lesson for a quick wrap up of our class and see you there. 9. Wrap up: So here we are. You're holding your project plan in your hands. You have set yourself deadlines and you can tell everybody about your project because you've written down your elevator pitch. I want to encourage you to see your project plan as a living document which is going to grow with your project. I'm using this project plan to write down the equipment I need, the interview partners, the questions for the interview partners, maybe the script I'm writing for the project. I'm printing it out. It's lying in hundreds of different bags. I'm writing on it with different pencils and it looks bulky in the end, but it always serves me well, and I hope it does for you too.
