1. Welcome: Hey everyone, and welcome to this course where I will be teaching you about tools and software. And you can use on your Mac to boost your productivity and to keep a clean digital workplace. My name is Dimitri. I've been working on Mac computers for over decades, both for personal use. As through my career as an IT professional. It's mostly through my profession that I came across a lot of different tools and software that helped me to improve my workflows and to aid me in my day-to-day repetitive tasks. Within this course, I won't cover the elephant in the room called notion. This platform or other hosts, a lot of different videos that will guide you to every function and option notion has to offer. I will however, other tools such as re-cast, rectangle, flag it, and many more. And I will add more videos when I come across new tools and software. You will notice that some of these tools and software free and a paid model. I will always cover the free version, although I myself pay for some of this software. You can however, start with the free version yourself. See what brings you as some of these software already offer a lot of value within the free version. And you can decide to go for the best model later on. So just enjoy these videos and I hope you will find them useful. 2. Dozer: In this lesson, I'm going to show you those are, those are, is a tool which you can use. Two, as you can see here, declutter your Mac menu bar. You can see that I have a lot of items in the menu bar, and I want to just hide the ones that don't use. So you can download those from this link. Scroll down a bit further. You have different installation methods over here. You can also click on releases. Over here. Downloads the DNG installer, which will provide you the latest version of this software. I won't install it as I already have it at this moment. But I will start it up. And you can see what happens in the menu bar. You can see these two little dots have entered the bar. I can click on it and all the menu items disappear. I can click on it and it reopens to all the items that I don't want to see are hidden behind the second one. Now, if there are some items I do still wants to see, I can just move them around. Hold the Command button, click on it. Drag it between the two little dots. Click on one of Bode dots and you can see that these two are still left behind. I will put them back like this. So keeping the command key and clicking on it and dragging it to the left of the second dots, cooking and it disappears again. If you right-click, you can see I have some preferences for those are always enabled launch at Logan so that those are, is always active. Also, which he was willing to do for every piece of software, in my opinion, on Mac, automatically check for updates. And I hide the status bar after 10 s, which means that if I click on one of those dots, the menu items will disappear just after 10 s. You can also decide to hide both. Those are icons when all the items are hidden. And you can also remove a dozer icon. You can even record a shortcut to enable those are. 3. Raycast: Hi there. I am going to show you an application called array cast. Ray cast. As an application which you can use the Quick Launch older applications to quickly open a YouTube URL, to quickly open a file on your Mac. It just an application to do things quickly. And actually recast as an alternative to an application called Alfred, which is, I think more popular and more known than re-cast. I've used to use Alfred and the past, and I've made the switch to re cost, I think maybe a year ago. Because there's offers the same possibilities. But without the debate model that Alfred has, you can download re costs by browsing through this URL and download it on your Mac. Actually, the only reason you will have to pay for a cost is if you're working in teams and if you're developing add-ons for this piece of software, otherwise, you will just have to use re-cast free version. And this will be very, very helpful to you. As you can see here, after installation, re-cast has added an option to my menu. We're just some basic settings. I will open ray costs from here. But as you've noticed, I've assigned a hotkey options space where if I just close this right now, I press option space, it opens this window. Basically it's shows you a set of commands and applications that suggests for you based on your use in the past and other commands, the list is very long, and I will go over some of these options together with you. Let's just first open the Preferences over this application and go over them. Here you can see that ray costs can be launched at startup, which I strongly advice. Because once you start using it, you will never stop using it again. There's a shortcut which you can record just by clicking on it. And my example, I'm using option space, which is configured right here. There's the option to show the menu bar icon. I'm leaving it on the defined the text size and the team light-dark the window mode, default or compact. Now let's click on the Advanced Settings. I've chosen to show re costs on the screen where my mouse is located, which is the screen, screen I'm focused on actually. But you can choose other options for yourself when you're navigating through or a cost which I will show you later on. You can make it go back to the roots search after, in this case, thirty-seconds, which can be configured right here. My input source, some navigation bindings as well that you can define right here. But I'll leave it up to you to play around with it. Then let's head over to the main part of re cost because the ray costs can be modified by using extensions. Extensions add more functionality to the application. These are all the applications that I have in my array costs setup. Most of them are basic ones, but I've installed a few ones myself. So I will scroll through them here. These are just all the applications you want to launch with Ray costs are leaving just right on. So I can just launch an application like this. Let's launch the Adam application. I just type it right here. And I can just launch the application. If I don't want to launch Adam, I can just disable it right here. As you can see here. You can let re costs. Show you the calendar. You can search for files on your Mac. You can do this by just opening recasts. Start tapping File, click on file search, or just open this command with Enter and search for files on your Mac. If you click on escape, you just navigate back to the main menu routes. You can use re costs, let's say to use Google Maps and create a route home. Like this travel home, click on Enter, and it just starts navigating towards my home address. You can add Quick Links yourself. So let's say e.g. I've added a search on Giphy, defined this link. The search query goes within this variable are the same thing for IMDB. The query part here, this is a variable. So everything that you fill out and re costs. Will you put in the query? Let's demonstrate this. Let's use MBB. Now, start typing in the query. Hit Enter. And you see here that the query part is filled out and we get all the results for Deadpool. In this example. You can also use it to open and control Spotify. As you can see here, this is an extension that you can download from the extension store, which I will also demonstrate you within this video. These are all the Spotify controls are won't open Spotify right now and blasts some music through this video. But these are all the controls. There are also some system tasks which you can initiate through re-cast. So I want to empty my trash, just start typing empty that enter, confirm, and then just add these my trash. I can also instigate a restart. I won't do this, otherwise this video will be screwed up. But these are all just basic system commands which you can initiate via re cost. Same thing applies for to do is to my to-do app, Wikipedia, searches, even window management. These are all things and more. And as you can do from within re-cast. You can also launch a YouTube search. Search video. Hit Enter. And it displays all the videos that meets my search requirements. Just click it. And you can navigate to YouTube by clicking on watch. Let us just add a quick link ourselves so that you know how this works. So click on Quick Links here. Create new quick link. Let's first find one. Let's say we navigate to the movie db.org. Also search for that pool. I just copy this right here from the address bar. Create new quick link. Let's call it the movie dB at the link and replace this here. The results with this part here. And open it in my default browser. Let's create a quick link. And now when we type the movie DB, hit Enter, enter the query. It shows me the page we've been looking for. All these extensions gone from the re-cast extension store. So if you click on this plus right here, we can click on Install from store and just search the store for expansions. Let's say the Zoom application. We can install Zoom extension by clicking on this part right here. You can also find these on the website as well. By clicking on store. And then you can just browse all the extensions, maybe click on recently added to find just the new ones. And also click on Install to add them to your ray cast. Now let's head back to the settings. You can create an account. I don't suggest to create an account if you're just using it as a personal use. But it's mostly for companies who create their own extensions which are not available publicly in the re costs store, but just within the company. And then you will need an account so that you can upload your own extensions and use it from within your organization, which you can create right here, but only if you have an account. So this is basically what re-cast can mean for you. I'm using the free version as well because this offers a lot of value just for literally no money. And after using the awhile. But also it's personal advice. I find it better than alphabets. So thanks for watching this video, and I hope this was very helpful to you. 4. Rectangle: Hi, and welcome to this class, where I will be showing you rectangle. What is rectangle. Rectangle is basically a window manager for your Mac applications that allows you to resize and reposition your windows with just a basic set of shortcuts. You can download rectangle from this website. Click on Download. You will get the possibility to save it as a PNG file. While you can just start installing rectangle. After the installation, you will notice an icon in the menu bar. If you click on it, you will get a lot of options to position, reposition, and re-size your windows. What I will show you just a few basics. I will go to this homepage. You can see that it's already full screen or almost full screen. I will just resize the window manually, a bit like this. If I now click the shortcut Option Control C, my window automatically centers on the screen. If you work on bigger screens, the center position is always the absolute center. If I click on option control, F goes into full screen mode, or almost full screen mode. I can click on option control. Left, it takes up the left part of the screen. Option control rights, which takes up the right part of the screen. Same thing for option control up, Mission Control down. So you see here that it always snaps to the part of the screen that you have defined. I can also choose to enlarge my window, but not make it full screen by Option Control D. Keep in mind that you can define all the shortcuts yourself if this suits you better. I can also just drag a window like this. And it goes full screen. You will have noticed that there's a gray background. If I try to snap it like this, it becomes gray. And it means that my window is positioned on the right half of the screen. You can also work with two-thirds like this. There are even more options like working with the fourths and sixths, like this. As you can see, you can assign shortcuts to every single part of it. But to be honest, I don't use these options because on my 13 inch screen It's too small, but it can come in handy for specific tasks. I will now show you some options. I won't go over these as I've shown you this before. You can define to ignore in this option, the Brave browser for that rectangle doesn't re-size or repositions windows from this specific application. Let's go into the preferences. Here you can see, you can record shortcuts. I will remove this one. Click on Record shortcuts, press Option Control, left, and it's saved immediately. You can do this for every halves and jobs and positions that you won't see anything from maximize. You can also position a window just on the next display, let's say e.g. you're working with multiple displays. You can just click on the shortcuts and the application that's in-focus will be automatically transferred to the next display or the previous display. Here we can see that you can record shortcuts for fourths and sixths as well. You can just record shortcuts for everything. And these appear here in the menu bar. Once they aren't record, it's the snapping of Windows is also something that you can configure. As I've shown you before, my windows can snap. I don't use it that often, but you can enable it here by checking this checkmark. And you can define what happens when you snap a window or when your move and drag a window to a specific position on the screen. Then the last window of preferences. You can launch this application at login, which I find very handy because I use it a lot. And this way I won't have to start it. Manually it myself. Hiding the menu bar icon. You can hide it if your menu bar is crowded too much. But also for this solution called dozer, which I will cover in another video. Also automatically check for updates. Obviously. You can also define a gap between different windows if you would like your Windows positions based on your needs, but with a small gap when you can move the slider and the final gaps this way. There's also a to-do option within its application and which you can enable. But I prefer not to use it because there are applications that handle to do way better, which I will also cover in one of my other videos. So this is basically what rectangle can do for you. I have not shown you every option of this piece of software because there's a lot of different windows positioning and resizing options. But just try them out. And you will see that it's not that difficult to work with. Thanks, Bye bye. 5. CleanMyMac: The application I will be demonstrating now, it's called clean my Mac, which you can download from this web page and download this free. But actually, this is the only fully paying software level demonstrate been, in my opinion, it's a must-have on your Mac. Actually, it's an all-in-one Mac maintenance tool. That's actually a skin around different scripts and tools to clean up and maintain your Mac. You can just download it from this website and an email address to get subscribed or not if you choose to. And you can just download the EMG, but you will have to use an account, a paid account to use the software. After the installation of the software. That is small icon, add it to the menu here. You have a lot of different options which you can choose from. I won't go over them later on in this video, I will first show you the application itself. Once it's started up, you can initiate the scan. This scan performs an entire scan of your system and see what it can clean up. If it can add some extra protection to possibly unsecure things on your Mac. And also possibly to improve the speed. After a few minutes, the scan has completed and it shows you what you can do to improve certain parts. I will click on cleanup and review details. So it shows me in detail what it can clean up. It can remove the cache files. You can click on, Show and expand to see which cache files will be removed. You can e.g. disable some things. Some cache files that you don't want to be removed. Same thing for mail attachments. It will remove large mail attachments as well. And even empty the trash bin in your mail application. I will not clean up right now and I will go back to the summary. Click on protection. You can see that everything is okay, no traits are found. Otherwise you can click on this and seed it suggestions that the replication gives you. I can click on speeds. You can see here a pop-up withdrawal commanded optimization tasks. If I now just click on Run, it will automatically clean up everything here, improve the protection parts, and also perform the speed optimization tasks. But I want to do this right now. I will go over the items in the menu on the left, which just also provide the same options and functions as these show you right here. That's the system junk, which you can scan. As you can see here. Just after a small minutes, you can click on clean and cleans up everything or same thing. You can review the details. Just click on the things you want or don't want to see it removed. Now if you click in the left menu on mail attachments, we can also scan them and remove unwanted attachments yourself. Same thing for a trash bins, which you can scan and anti by clicking on this one. Then in the left menu there's the malware removal part. Same thing. You can start scanning. It will go and start looking for malware, which can run maybe a few minutes. I'll just stop the malware scan because I tend to run these tasks often. And I know what I'm free of malware. So there's nothing to show you right here. There's the privacy part as well. Every window gives you information on the details that it's well and can aid you in. So I can click on Scan. And you can see here all the different application permissions. You can click on everything. I won't reset it because this is too much of a change like this. And you can click on every application permission item, click on Show, and just remove these things right here. I won't do these things right now as this modify my system. I can click on Chrome and it can remove my cookies. That'll history, autofill values and other things. I can just click on it. They can remove and it will start cleaning up these items. The recent items lists. Says right here, the aliases of recently accessed applications, also something that you can click on, show and display all the options right here. I will always leave this up to you to decide the things that you don't need anymore or that you want to clean up. Same thing applies to Safari as well. And also the Wi-Fi networks. There's the list of networks that you can show. Remove if you don't need them anymore. Then there's the speed optimization parts. You can see all the items on my Mac that I can modify and possibly improve the speed of iMac if I disable certain services, I going to move the OneDrive app login item. This possibly can improve the performance of my Mac. Same thing for the launch agents. These are all the agents that are running in the background. Usually I can enable and disable them right here if I wanted. Hung applications are applications that are running but not responding anymore. As you can see here, the list is empty. Same thing for heavy consumers that are unknown at this very moment. Let's move on to the maintenance. These are all specific scripts that you can run on your Mac. As you can see here, free up memory. You can always see the last run date as well. But I suggest not to run this very often and threw it only when you feel that your Mac is becoming unstable or reacting slow, then all these maintenance scripts can come in handy. Let's move on to the applications. You can see here all the applications that are installed on your Mac. Click on one of them and just choose to install them. This will be a proper and clean and install. And all the parts from the specific software are cleaned up and removed from your system. You can also see the unused applications, applications that haven't been used for a very long time. Also some leftovers from uninstalled of other software in the past. Also see that as the founders of the software that's running on your Mac, we can go to the updater. This clean my Mac application looks for software on your mic that's a bit outdated. You can choose to update it from within this window. I don't have it at this moment because I always tend to update my software as soon as updates come out. But usually you get a list in here. Click on the Items, click on updates, and clean my Mac updates the software for you. If you move on to the extensions. You can see here plug-ins for Safari, such as my to-do is to do application or preference beans. I don't tend to modify these because these are usually the things that you will need. There's a space lens which can perform a scan of your entire system and show you where most of the disk space is used on your Mac. This can come in handy to find large pieces of files that you didn't know still existed on your Mac. And you can just clean them up from within this window. As you can see here, most of my disk space is used in the folder users than Earth applications as well. These are the most logical culprits of disk space usage and you shouldn't actually touch them. Well, you can continue to dive deeper into the most used items that I vary parts is one of the usual suspects shouldn't be shouldn't be touching them. Then there's the pictures right here on my folder and as my iPhone library. So all these things are just regular pieces of software and files and directories, so I won't remove them. But you can just click on one of them and remove them if you need it. But the same thing for the large and old files. Scans for large files and just shows them to you based on their size. There's also a file shredder which removes an shreds files and our lead from your system so that they cannot be restored afterwards. Last part, we have this menu here that gives a glimpse of the information on your system. You can just scroll through this information, see how your system is protected. The last file otherwise scans available disk space. You can also dive deeper into this and also show the health of the desk, the temperature, different components, size of its fresh. Same thing for the memory applications which are using a lot of memory. The battery health, you can see that my battery is not that new anymore. The same thing for the CPU. Applications are using a lot of CPU power and you can just choose to quit them from within this menu item. And there's the networking part. Besides this, this is a very helpful a window that can provide you a lot of information on your system just in a small glimpse. So basically, this was about the clean my Mac software, which I found an essential piece of software that shouldn't be on your Mac. 6. Flycut: Hi. In this lesson, I'm going to show you the application called fly cut. Flag it as a copy and paste buffer that allows more than one entry to be added. So it's basically a database for the things we have copied. And maybe you want to paste later on. You can download flight goods. My browsing through this URL. You can, and you should download it from the Mac App Store. So just click on this link. The application store of your Mac will open. And you can download, flag it, as you can see here. I already have it. So after installation you can click on Open and this item will appear. You can see here I have one entry in my paste buffer. This is the URL of the site we've just revisited. You should allow flighted to access your clipboard. So within your Mac, you click on the System Preferences. You click on privacy and security. Then you click on Accessibility. And you see here I have flaccid enabled. This is required for replication. To read your control and paste buffer. This is configured, I will close it up. Just navigate to this site again to use as a few examples. Our law copy a few parts of this beach. So let me paste buffer is filled up with just a few entries. You can now see here, if I click on this and I type in Command Option V, that I have four entries in my pays buffer and I can scroll through them with my arrow keys. So these are all the things I've copied. And you can also see the source, so replication where it's coming from, the time I've copied it. And just releasing the keys, enter the texts within this search bar. We can now go over the preferences. So there's a sticky vessel. These are just things that are visible. You can see here that when I released the shortcuts, It's still remains visible the texts, this is a sticky vessel. I don't use it, but you can enable it if you like. There's also the wraparound basil. These are just visual settings. You can try them out and see which ones you prefer. This option allows you to click on the menu items to use them in your paste buffer. Also, prefer to launch flight gets elegant because I find this a very helpful tool and are always use it. You can sync your settings and clippings towards iCloud. I don't use it because I always copy and paste passwords as well. So I don't like it. You can always also save the clippings and I'll prefer to go back 40 entries within my paste buffer. The 41st entry is automatically removed and cannot be retrieved from the base buffer afterwards. Same thing to this bay in the menu. You can see here then items which are defined here. And I can also define 40 favorites. I can enable settings as the don't copy from password fields. This can be very helpful for companies that tend to be very critical when it comes to security. There's a few options over there as the remove duplicates. You can copy the same entry multiple times, but it doesn't create new entries. This is also very helpful and prevents you from cluttering up your paste buffer. This one hotkey. To enable, this is Command Option V, that just enables the paste buffer. As you can see here. This is launched with Command Option V. Then you can scroll through your base buffer within either the arrow keys up and down, or just by tapping V multiple times. You can also modify the appearance. So the basil, all these things here, the gray tones, you can modify them. I will set its darker, wider and higher. You can spot the difference immediately. So a lot of difference over there. You can also define the menu item added to your preference. You see at it, you can see that it changes over here in the menu. Just something of your liking. Within this menu option here, I can click on Clear. All. This just removes, might base buffer entirely. So I hope that you've learned something from this app. And the same thing applies for this app as for the other apps. Just start using it, start playing around with it and see how we can help you. 7. Franz: Hi everyone. In this video, I'm going to demonstrate you an application called France. Now what is France? France is a tool that can be used to aggregate all your chat applications, chat and possibly other applications as well. But it's basically a skin around the different applications so that you don't have to open and configure different applications all at once. But just have one basic interface that allows you to manage older chats and switch between them very easily. You can download France by surfing to this URL. Clicking on downloads, and choose the specific downloader as we're working on Macs. Within this course, I'm going to download the Mac installer. You can see that I have the Mac installer here. I can save it and also in the process, create a free account, which I have already done. So I will now start the application. I will login to the demo account I've created before. As you can see, there's not a lot of information right here. So we're going to start from a clean installation. Within the left menu bar, you have different options. I will first show you the workspaces. Workspaces offer you the possibility to divide your applications between, let's say, professional use applications and personal use applications so that you don't have your professional chat applications open while you're using France, even your personal time and vice versa. You can add a workspace by clicking on this button. Click on Create Workspace after providing a name. Save the workspace. And it's been saved, as you can see here. It's empty because we didn't configure any services at this moment. We will add some services later on within this video. But keep in mind that workspaces can only be used when you're using the pro edition of the software. As I've mentioned in the introduction, lots of these tools offer free and paid versions. I'm now demonstrating the free version. But we are using the trial, as you can see here down below. France offers the possibility to work with todos. This is a very basic to-do lists. Within one of my other videos, I will demonstrate how you can use to-do list, which is an advanced tool to keep track of your to-dos. But you can hear at new tasks. And then right here, complete them. Create new lists like this, and then add the new task. This is basically what the to-dos can offer you, as I've mentioned before, just go check my to-do list video if you want to handle your to-dos. Another level. We will now add some services. You can see the most popular services or WhatsApp, Messenger and Slack, of course, also Telegram and Gmail Skype. These are all the services that you can add to France so that you can just switch between Windows and chat within these services. You can also add multiple instances of, let's see, facebook, Messenger or slack, so that you can switch between different workspaces for Slack, e.g. I. Will now switch to my own Slack account so that you can have one clear example and an overview of the different services that you can manage. As you can see here, I have Messenger, WhatsApp, Telegram, Skype enabled different slack workspaces as well. With unread notification badges. I can also enable and disable notifications so that I would want get disturbed during meetings, e.g. Let's go to the preferences. These are the settings right here. These are all services. So the services that I have configured, my workspaces, which I don't use. Because as you can see here, I will have to use the France professional service, which I'm using right now. These are your account settings. As you can see here, you can manage Teams as well. At this moment, I'm the only one using France within my company, but you can activate the team so that you can collaborate and use France within your organization. These are the settings you can choose to launch France at startup. As you can see here, there's the option to keep all workspace is loaded. I have this disabled because I'm not using different workspaces. And I would advise to keep this off as well, even if you're using multiple workspaces. Because otherwise every workspaces is loaded and all the services are loaded as well and keep on using lots of valuable system resources. Then there's a lot of other basic options. I would suggest anything GPU acceleration, because it's improves the performance of the application itself. And obviously check for updates. And I've included better versions as well. But this is more preferred, a personal preference. Keep in mind that all the services are always loaded in the background, which means that there are usually always online for all these services that are loaded. So this is what France is and what it can mean to you. Just try it out because it has a free version that can get you started easily. 8. Shottr: Hi everyone. We're in this lesson. I'm going to show you shoulder. What is shoulder you're asking? Shoulder is actually really cool screenshotting tool for Mac. Okay, Everybody noted you can take screenshots and its built-in and Apple software, but shoulder adds more to screenshotting. I will show you how you can download this. So you just navigate the shoulder and dot cc. Click on downloads. Download starts. You get a DNG file, which you can use to install shutter. I won't install it for now as I already have it. But I will show you what happens when shoulder is installed. You can see then there's a menu item added here, which you can use to configure and to open shutter. I have enabled shutter with a shortcut commands, command Shift S to just create screenshots. Demonstrate this right here from this website. You can see immediately that this window opens up Reagan from different actions within this menu bar on the screenshots. I can just save a screenshot, but I've configured it and it will show you later on that I automatically save every screenshots. The screen, drag and drop the image. I won't go over every detail over here. You can select parts of the screenshots. Hit Enter, and it crops, press control Z and undo it. And click on the arrow icon. I can just click on my mouse, drag it, and create an arrow with different styles, thicknesses as well. And even in a different color. Just to remove this arrow. I can also add a text fields, starts typing. The same thing. I can modify the color and size. As you can see here, it's a small text item. Remove it again. This tool also has a ruler. Or if you hold the left key over here, you can see how much pixels there are between these two items. That's, this ruler automatically measures. Same thing for the right arrow and also the up and down arrows gives you the exact spacing between items which can come in handy. I can just draw rectangles. To emphasize something specifically like this. I can also add counters like e.g. if you want to demonstrate something which are screenshots, you can just add counters, same thing, modify the colors and the sizes. I will just undo this. Also a cool feature is you can blur and erase items like this. I can blur this texts. You can see I can blur large portions, but I can just also choose to only blurred the texts. So here we can see that the shape of the button is still visible. I can also erase items and it will do its best to fill out the empty gaps. And hour. I will also try to erase the texts and see text is erased and it's filled up with a solid color. You can also just select a part, Holden key, command key, and start scrolling through, Zoom In and Out on the part that you've selected. If I now press the very exotic key combination Command, Option, Control 0. You can see that I can select part of this screenshot. I will go over it. Now, the text has been put into my paste buffer and I can just paste it over here. And this is a text coming from the screenshots. This also just works for QR codes. If you hold the same combination Command, Option Control 0, you select a QR code. The link behind the QR code is immediately added to your paste buffer. If you click on the menu item, you can see here that all the functions that I've shown you before are here. You can also open the preferences pane. Or you can just play around with some preferences like the backgrounds of the screenshots. You take. The folder where your screenshots are kept as well. The format in which they're saved, I always choose Auto because then I get this size. That's perfect for the type of screenshot I've taken. Towns killing when you're using retina screens. I also choose the older starts, shorter, because I just want the application to be available anytime. And after a screenshot, I've chosen to show the screenshot immediately and also to save it within the screenshots folder I have defined over here. So this was basically how shoulder, one of the best screenshotting applications on the Mac works. 9. Todoist: Welcome everyone to a new video where I will be explaining to you how to do list works. To-do list is, as the name suggests, to do application. That helps you as part of a second brain. That helps you to keep track of your to-dos and send you reminders and time. You can download to-do list from this website. I've created a demo account which I will use. Well, I will login with that one. As you can see, it's a web app, but you can also download the application on your Mac. So I will open up that one to give you the authentic look and feel of how I use the application. As you can see here, this is how we've entered to-do list basic layout with some demo tasks in there. On the left side, you have the Inbox. What's on your to-do today, the upcoming days, filters and labels, and also the different projects. As I've mentioned in my introduction, I will mostly try to use the three additions of software, which I will also do for to-do list. In this free edition, you can create five projects. If you integrate more, just go for the professional edition. I will remove this one and start over from scratch. So let's create a new project. Let's call it personal. Let's assign a color to it. There are two views. There's the list view and the boards you, I will show you the board view a little bit later. So just create this one. You can also add sub projects. So let's click on the three dots here. Click on Add project below. Add a name like grocery shopping. Let's give the same color as it is a project of the personal projects. Maybe edit to Favorites. Also keep the list view. You can see that it's added to the favorites. If you have a small amount of projects, the favorites are not required. But if you have a large amount of projects, you can add your favorites right here. These are the grocery shopping. I can drag it down. So it's a subpart of the personal one right here. Let's add some tasks like milk breadth, e.g. I. Can add a small description to it. Like this. The task is Edits, click on Cancel to remove this field right here. Let's also create a new project called Professional. Give it the light blue color and maybe make it aborts. I can assign names to the boards, like starts, Section, call it ongoing. And then maybe a final checkup. I can add tasks as well. Let's add some more. You can see here that every task is placed within its specific boards. I can also add priorities to my tasks like this. Let's give this one a little priority. Priority tree. Every new task that you add gets a priority. Basically, all the tasks get priority for unless you assign another one. To do is to also makes use of human language if you want to add tasks. So let's say that we want to add a task. To start section. We want to start it tomorrow and add a specific priority to it. You can see here an urgent task to start. Now I'm going to assign it to tomorrow, like this. The text is in red, meaning that your human language is understood. And actually it's the same as typing tomorrow. Now let's add a priority by clicking on this one and make it red. So priority number one. You can also add labels. As in starts. The label will be created and assigned to it as well. Also, add a reminder. This means that if this task comes up tomorrow, you will be notified at the time that you have defined. I cannot show you reminders right now because as part of the Pro plan, but there's also works with human language. You can add a reminder and define it as tomorrow at 09:15 A.M. and you will get the notification from this app within your browser or on your smartphone or tablet app at 09:15, saying that you have to start this task. So let's add this task right here. Let's use this task to demonstrate that you can add comments. These are just human language. You can add multiple comments. You can also create bullet points. You can also add images or files. Let me attach a file. Then we'll file a PDF or just basically an image. You can see that the images are loaded as well. I can even add URLs. These links will be translated into a small term, Neil, after just a minute or a few minutes. So let me close this one. You can see here that we have five comments assigned to it. And that's the link is translated into a small thumbnail, a bookmark. Actually. You can even collaborate with other people introduced. You can share your projects. And after sharing projects, you can assign a specific task to people that you've shared. Your to do is to it. I cannot demonstrate right now because it's only part of the Pro plan and all of the free plan. But it's actually not that hard to configure. As I've shown you before, we have some shortcuts in the left menu there, the inbox. This is where you just drop deduce that you need to assign to specific projects later on in just a quick to-do lists for you to divide onto projects later today. So all the tasks that I have to conquer today, you can see that there is one still overdue. And this is what's configured on yesterday. There is another task configured for today as well. I can click on it and it's completed. I get some confetti showing that my first task has been completed. You can click on upcoming, where you will see all the tasks from the past and even in the future. You can just keep on scrolling and see tasks that are coming at you in the near future. And you can always click on completes. If you're ahead of time. There are filters and labels. You can filter on the tasks assigned to you if you're working all alone introduced, this won't be very helpful. But if you're working with other people, this can be very helpful as well. You can filter on all the tasks, shirts, P1, priority of one flag. These are all in red. And you can even filter on the labels so you can see all the tasks that have the label to start. The cool thing about to-do list is it works based on gamification, which means that you get points and levels based on the tasks that you complete. This is shown right here. You have daily amount of tasks. This is a number that you can configure on your own in your account. If you complete five tasks, you get bonus points because you're on a streak. Every data to complete tasks and you get this goal, your streak improves. Same thing for the weekly number of tasks we see here that we have different tasks to complete to fulfill this part of the trophy. And all these points add up to the karma system that works in different levels. We are now at the beginner level because we just started off. The more points you gather, the more levels you gain until you are the enlightenment one. You can see here that these are the points I already earned by adding and completing tasks. The longer you work with reduced, the higher your level gets, the less points you get for adding and completing tasks. Now, let's go over to settings of to-do lists. These are the main settings. You can configure the team. This was the basic one. You can just modify. It uses different color schemes, but let's keep basic one right here. And this is also the main menu where you get into if you just click on Settings, right here. This is just your account information. These are the general settings where you can define your main language, your home view, data and time settings when the first day of the week actually is. There are some places in the world where the week starts on Monday and some on Sunday. But you can just define your own start of the week as the Advanced tab, where you automatically accept invites when people want to collaborate with you introduced. We can also show To Do list and the menu bar. Then you have this item right here, but just some basic information not that helpful. Actually. You can also choose to show to twist in your Mac dock below. There are some shortcuts to record as well. This is a productivity part where you, if you're not that interested in working with the gamification level of twist, you can just disable the chroma setting. Here we can also define the number of tasks you want to concur daily. You want to complete on a weekly basis to get bonus points. And these are the days off, let's say in the weekends you don't have a lot of time to complete tasks. You can have these days off, which means that these won't have an impact on your streak. If you complete the daily tasks these five days, Monday, Tuesday, Wednesday, Thursday, and Friday, you don't complete the daily tasks on Saturday and Sunday. You start again next Monday and your streak will say, it turns six days where you have completed your tasks. Vacation modes just disables the gamification at all. So there's no loss first week if you don't complete tasks on these days where you don't have a day off. These are your reminder settings which can only be configured if you have a Pro account. These are your notifications. Within this part of the settings, you can define how you want to be notified. I usually only disable the mobile notifications because I have the mobile app on my smartphone as well. But you can also receive emails when a task is completed. But this will just spam you, to be honest, I've tried it for a short while. You don't really need it actually. You can also get emails about your daily digest. The things that you've completed during the day, what's new and other things coming from the twist. Your account can also be a backup so that you don't lose any things that you've done in the past. Because to-do lists can also keep an archive that can go on and on and on. If you have a Pro account, then there are the integrations, which means that you can integrate to do is Twitter, Google Calendar. So let's say e.g. I. Have a task I want to complete by tomorrow. This task will be added automatically via the integration to my Google Calendar that I can just add here. There's even more integrations to be added by using the API key here. So this is basically wants to do is to can mean for you, I find it one of the most helpful tools I'm using to boost my productivity and to be a part of my second brain so that I don't have to remember all these things because application remembers it for them. I have some structure worked out, but this is always personal. This works best for me. I'm using the pro version so they can create more than five projects. While my file uploads can be 100 mb, instead of being limited to 5 mb. I can configure reminders and I've also have an unlimited activity history. So I hope that this video was very helpful to you as application has been helpful to me Within the past. Thanks. 10.
