2. Time Management Overview: Hello everyone. Today we want to start with the first
objective of our course, which is to take an overview
about time management. Now, we want to give a
definition for time management. Time management refers to the way that you
organize and plan, how long you spend on specific
activities and other way. Spend your time in different activities
with organized way. Now we want to talk about
the important tips in order to manage your time
during a week or a day, for example, or a month. Have a clot visibly
placed before you having a huge
o'clock in front of you. We'll keep you
aware of the time. At the moment. You will gain some time for your
own time period. Also, create a new to-do list
each day, every morning. You should make a
list of the things that you want to
accomplish for the day. Make sure that you
keep your list realistic so that you have a better chance of
getting to each thing. Your tasks should be arranged in order to an order of priority. Set goals. Assign a realistic
deadline to each project, such as tasks to get
ready for fall classes or projects related
to your course work. Consider breaking them
down into smaller tasks. Work smarter, not harder. Good time management at work means doing high-quality
work, not high quantity. Another important thing
is to make a time diary. Take a week, and the plot out what you do every
day. Be honest. If you watch 2425 hours of
TV each week, write it down. Learn to say no, which according to me
is very important. Turn off your cell phone. When you when someone
asks you to do something that you really
don't have time to do. Say no, politely, but firmly. Spend time for yoga. Yoga, and meditation,
meditation on daily basis. This will increase
your focus on work. Target to be early. When you target to be on time, you will either be
on time or late. Most of the times
you will be laid. However, if you
target to be early, you will most likely be on time.
3. Time Management Functions: Hello everyone. In
today's lecture, we are going to talk about the functions of
time management. There are four important
functions of time management, which are planning, organizing, directing,
and controlling. Planning is a core area of all the functions
of management. It is the foundation upon which the other three areas
should be when it isn't. The basic function of management deals with shaky
out a future course of action and deciding in advance the most
appropriate goals of actions for achievement of a breed of predetermined goals. Planning as deciding
in advance what to do, when to do and how to do. It bridges the gap from where we are and
where we want to be. A plan is a future
course of actions. It is an exercise and problem-solving
and decision-making. Planning is determination of courses of action to
achieve desired goals. Thus, learning is a
systematic thinking about ways and means for accomplishment of
pre-determined goals. Planning is necessary to ensure proper utilization of a human
and non-human resources. It is an intellectual activity, and it also helps
an eye avoiding confusion, uncertainties,
risks, etc. Now we want to talk about the second function of time management,
which is organizing. Getting organized is
the second function of, of time management. Management must organize
all its resources in order to implement
the course of action. It determined the planning
in the planning process. It is the process of bringing together
physical, financial, and human resources and developing productive
relationship among them for achievement of
organizational goals. According. So scientists to organize a business is to provide
it with everything useful, or it's functioning,
such as raw material, tools, capital, and personnels. To organize a business
involves determining the providing a human and
non-human resources to the organization. Organizational structure. Organizing as a process involves identification
of activities, classification of a
grouping of activities, assignment of duties, delegation of authority and the
creation of responsibility, coordinating authority,
responsibility relationships. Now we want to talk about the third function,
which is directing. Through directing, management is able to
influence and oversee the behavior of the staff in achieving the
company's goals, as well as assisting them in accomplishing their own
personal or career goals. Effective communication
is vital and maintaining a productive
working environment, building positive
interpersonal relationships and the problem-solving. That is, the part of managerial
function which actuates the organizational
methods to work efficiency efficiently for achievement of
organizational processes. It is considered life as
part of the enterprise, which sets it in motion, the action of people. Because planning,
organizing, and staffing are the mirror
preparations for doing the work. Direction is that inner
personal aspect of management, which deals directly with
influencing, guiding, supervising, motivating
subordinates for the achievement of
organizational goals. Direction has
following elements. Supervision, motivation,
leadership, and communication. Supervision implies
overseeing the work of subordinates by
their superiors. It is the art of watching and
directing work on workers. Motivation means
inspiring, stimulating, encouraging the subordinates
with the zeal toward positive and negative monetary and
non-monetary incentives may be used for this purpose. Leadership may be defined as
the process by which manager guides and influences
the work of subordinates in the
desired direction. Final one, which
is communication. It is the process of
passing information, experience, opinion, from
one person to another. It is a bridge of understanding. Now we want to talk about the last function,
which is controlling. Controlling as a
process of monitoring performance and taking action to ensure the desire
of the results. It C is to add that the right things happen
in the right ways. And at the right time. It implies measurement
of accomplishment against the standards and
correction of deviation, if any, to ensure achievement
of organizational goals. The purpose of controlling
is to ensure that every thing occurs
in conformity. With the standards. And efficient system
of control helps to predict deviations before
they are actually occur. It is the process of checking whether or not the
proper progress is being made to get towards the objectives
and the goals. And acting if necessary, to correct any deviation. Controlling is the
measurement and correction of performance
activities of subordinates in order to make sure that the enterprise
objectives and plans desire to obtain them
as being accomplished. Therefore, controlling
has the following steps. Establishment of
standard performance, measurement of
actual performance, comparison of actual
performance with the standards, and finding out deviation
of any corrective action. Now we want to reduce
time. What is time? Time is the most valuable
thing of this planet. Time is money and money. This time. What we want to calculate
the value of time, value of your time in your day. Your income divided
by the working hours.

prioritize tasks. When every task is a priority, nothing is urgent tasks should
be the highest priority. Then look at any
high value tasks. Why? Litigating low priority tasks
to the back of the queue? Learn to outsource. You do not have to complete
every task yourself. Especially low priority tasks. Sometimes it is better to outsource these
tasks if you can. So you can focus your attention on the
more pressing tasks. Automate repetitive tasks. Fortunately, today, there
is a lot of technology available that can help
automate many of your tasks. Tools that can schedule
your social media posts, create Canada email responses, and automatically

tasks could save your several hours every, every week or each week. Eliminate unnecessary
distractions. When you are distracted. It can take a while to
get your focus back. This can greatly limit
your productivity. The last technique to realize that things do not
need to be perfect. Easy to get caught up in trying to make
everything perfect. However, perfectionism will slow you down and could

help lower stress, increased productivity, and is a great way to kick

6. Exercises: Hello everyone. Today you want to talk about some exercises. In order to understand
the concept of discourse. Size. Number one, the Mayo Jar. Jar activity demonstrates
the importance of the wing. The most important tasks first, you have an empty jar
and some large rocks, smaller rocks, gravel,
sand, and water. Depending on what
objects you put in first determines how much of the other items you
can put an afterward. If you put some, nothing else
will fit except some water. But if you start
with the big drops, our most important
tasks and go down, you can fit some of everything and exercise to dealing
with distractions. Distractions can be deadly. Deadly to productivity. In this activity. You identify your
distractions and then come up with
solutions to solve them. One way is to track your time
over a span of a few days. Of course, you may
be able to just recognize some of the
distractions in your life, write them down, then work on strategies to overcome them. If you do it as a group, work together as a
class, or in groups. Write out your distractions
and then discuss a solution. Size of three pi square. Each person gets a
three pages with the 24 squares that represent that one to
four hours of the day. On the first page, participants fill it out with the routine
activities of their day. The second page is for the nonproductive
time they use at all. On the 3rd, they add everything from the other
two onto the, onto it. The empty space left
is productive time. They can then see what
they can reduce or eliminate to increase
their productive time. Suicides for the
puzzle, challenge. Divide your group into teams and give them
a puzzle to work on. However, you don't give them
what the picture looks like. That big picture. After a few minutes, you ask them what is missing, what is making it difficult? They will likely
say they don't have the picture of what it is
supposed to look like, then you give it to them. The point of this exercise
is to show the importance of seeing the big picture when planning and choosing
our activities. Exercise five, time waster. The goal of this activity is to learn how to overcome
time waster. The group is divided
into four teams. Each team is given an
envelope that contains four index cards and a time waster is listed on
the back of the envelope. The team gets three minutes
to write as many ways to overcome that time waster and write it on the
one index card. Then they pass the envelope
to the next group and so on. After all, each team can
present the results. All can vote on the best ones. Or however you want to
go over the results.
