It's all about working smarter, not harder. Think about it. What do we all have in common with the most successful people? We all have the same 24 hours a day. Will you decide how to use your time by choosing what to focus on? And you should focus on what matters. I'm going to teach you the best time management strategies and how to put them into practice. Thanks you exercises that can be applied to both your professional and personal life. How many times have you set a goal that got stuck halfway through or didn't even start by saying, I'll do it later. The right time to do. What you've always wanted to do is now you are going to change your mindset in order to focus and the high value actions that will lead you to master your time and take your life to the next level. The Time Management Paradox: Work Less, Achieve More: The time management paradox, work less, achieves more. Hi, and thank you for being here. Welcome to the time management section of this course. As we know, time is often considered the most precious resource we have. And for this reason, it is essential to manage it in the best way. In this section, we will see exactly how procrastination and bad habits are two of the factors that negatively affect the management of our time. So it is useful to experiment some techniques in order to make the best use of the time we have available. So work smarter, not harder, which basically means improve your time management skills. People often feel that they haven't used their time in the best possible way. And I'm pretty sure it happened to you too. It happened to me also. Of course, in some cases, it's because your job is boring to you. Or it can happen when you spend the entire Saturday afternoon watching TV series on Netflix or when you simply sleep all day long. The problem is that at the end of the day, we realize that we have not made progress on our goals. That's why it is very important to know how to properly plan your time. But don't worry, because we'll learn how to do it. Among the most important factors that we must consider to optimize the management of our time are minimize, procrastination. Create an action plan. Assign the correct priority to each task. Distinguish between short and long-term goals and what are the advantages of effective time management? First, you can get more free time, more time to spend with your family, friends, more time to travel, more time to relax, et cetera. Second, you can do more, but putting less effort into it. Managing time effectively allows you to work smarter, which means getting more of the important work done. Third, time management is useful to increase productivity. We all have a 24-hour day. Did you spend those hours efficiently? It will be an enormous benefit to you. Force. You will improve your decision-making organization skills. You'll get used to making important decisions in less time. This also means that you can use the time saved to devote yourself to other activities. In this module, I will explain what are the best strategies for time management. Planning for Results: Planning for results. In this lesson, we will talk about why creating an action plan is essential to achieving your goals. And then we will see how to do it on a practical level. As we said, time is the most precious resource we have, and it is our responsibility to manage it in the best way to make our lives better. But why is planning so important? If you think about it, time is one of the few resources that we cannot bind and we often wasted in useless activities. To avoid wasting time, we have to think about what we really want to achieve in life and organize our time and activities accordingly. Thanks to planning, we will be able to organize each day, week, or month in order to work on our goals. Increasing the boss abilities to achieve them. Planning is closely linked to time management and for this reason, it also has the relative advantages. Avoiding unnecessary activities, which are all the activities that have nothing to do with our goal. As a consequence, even if we still have 24 hours available every day, like the richest people in the world, avoiding these kinds of activities and being focused just on what is important for us, will unlock more hours during the day, during the week, and the whole months to work on what really matters to us. And above all, balance between working life and private life. Working smarter, not harder, working less. Achieving more. Boost your productivity, get the job done in less time, and spend the rest of your day with your loved ones and doing what you like. Now, let's turn theory into practice. How can you effectively plan your work? I wanted to say one thing first. Please. Don't rush. Take your time to do what we're about to do now. Although the next activity will take some of your time, I assure you that with this process, you will save an incredible amount of hours in the future. Ok, let's start. The first thing to do is to take some time to create a list of your goals. Once your goals are clear, divide them between short and long-term goals. After that, assign a priority to each goal. You have to divide them, giving each one a score of importance and urgency. When you finish this process, you will have the complete list of your goals divided by short and long-term, but also by priority. Writing this list on paper is highly recommended because it gives you a complete overview of what you want to achieve and reminds you that you have to work every day to get what you want. At this point, I want to underline and repeat a very important thing. Planning means organizing your time in order to reach a goal by a certain date. For this reason, when planning, you must always keep in mind which goal you want to achieve. Based on your purpose, you can understand which of the activities are essential and which are not. So always ask yourself one question, taking your goals into consideration. Which daily activities are not essential in order to achieve what you really want. Look at the list of your goals. Think about the activities you do every day, even if you have not written them on the sheet. Such as studying this subject or watching TV, or going to the gym. Think about your typical week. Once you have identified the activities that you carry out as a routine, plays, each activity in one of these categories must have these fundamental activities. They are essential to achieve your goal. And for this reason, they should have highest priority in terms of resources and time, should have meaning, those important but not essential activities. You can decide whether to complete them yourself, delete them, or delegate them. Nice to have optional activities with low priority, which do not affect the outcome of your goal. Now, simply by looking at what you wrote and in which category you put each of your typical weekly activities. You should already be able to understand what you need to focus on and what you should eliminate instead. In the next lessons, we will delve into the topic and see how to create an action plan for both short-term and long-term goals. How to Prioritize When Everything seems Important: How to prioritize when everything seems important. In this lesson, we're going to see an efficient method that will allow you to set your priorities according to their importance and urgency. In this way, you are going to be able to complete the right tasks at the right time. Setting priorities is essential in order to not leave the urgent ones behind. We all know that in everyday life, the less urgent assignments require time that ends up missing for those actually important. And this is why we are going to use a tool called the Eisenhower matrix, which is extremely effective in order to set priorities and optimizing the management of your time. So what's going on in our society? It is quite common that people have many daily tasks and they do not know how to decide what to do first, especially in the workplace, but also in private life. Often our time is controlled by things that are urgent, but that are not important because we value more urgent things even if they are not important, rather than those important but not urgent. And that's why we're going to use the urgent important Eisenhower matrix. It is very powerful because it provides the right guidelines for us to understand what to do and when to do it. So let's see and analyze the Eisenhower matrix together. According to the Eisenhower matrix, we should first complete the important and urgent tasks and then dedicate ourselves to those projects that are equally important, but less urgent. And less important tasks, however, are delegated to other people or sometimes completely abandoned. So we have first see important and urgent. These tasks have the highest priority and must be completed immediately. Otherwise these goals will not be achieved. An example could be projects that are about to expire and urgent call with the customer, then we have important but not urgent. These tasks must also be completed in order to achieve the goal, but the deadline may be slightly postponed. You can basically decide when to complete these tasks, which allows you to plan them and dedicate them the right time. They may include medium and long-term projects, improvement projects, or new strategies. Some examples could be training courses, sport activities for a new business opportunity. Urgent but not important tasks, which are the tasks that must be closed promptly. But since they have less importance, they can be delegated to someone else. These tasks may include activities requested by others. Reading emails or unnecessary meetings. Pay attention. Because if you spend a lot of time in this section, it means that you are basically distracted from important things and you will have less time for yourself. The last section includes neither important nor urgent tasks. The tasks that are not important for you in order to achieve your goal, and therefore do not need to be completed with particular urgency, then maybe left unfinished or simply discarded. Actually, you should not take into consideration any activity related to this section, since it is better to eliminate what is not needed. Examples could be meetings that are not interesting for us, but also wasting time for a drink with people that we do not like spending time with playing video games or watching videos on YouTube, as long as they do not have any benefits for our personal goals. Basically, if you are spending your time doing activities that belong to this section, you are wasting your time that you could use for more important things. What advantages does the Eisenhower matrix have? First of all, it helps you improving time management strategy by setting a clear definition of priorities that will lead to the realization of your most important projects. Remember to give the right importance to each specific task. And as for the urgency determinate by deadlines. If a deadline is not set, you need to establish the urgency of the assignment. Now, I would like you to create your Eisenhower matrix and fill it with your projects or tasks. They want you to really take your time to give each task the correct importance and urgency. Because the more time you will spend doing this process, the last time you will spend to achieve your goals. So a good way to organize your time well is to use the matrix as follows. Create the list of things to do, sort things by importance, defining their urgency as the final step, take action here to help you save time. I already prepared a sample of Eisenhower matrix that you can use for your project. 5. Mastering the Action Plan: From Theory to Practice. Successful Goal Setting: Mastering the action plan from theory to practice. In this lesson, I will explain the basics of planning and they will help you with the creation of your personal action plan that you can use to organize your tasks starting from today. We have already seen the reasons why planning is essential to achieve our goals effectively. And as soon as possible. The general rule is to understand what are the most important things for us and then carry out each activity in the right time according to its priority, we must draw up an action plan based on the importance and urgency of things to do. In this way, we'll organize our time in the best possible way. And there will be no more excuses like, I don't have time for this. There are of course, some fundamental points that can help us create an effective action plan in order to have our days, weeks, and months more organized in terms of time and purposes. 1, first of all, it is highly advisable to divide long-term goals into many easier and faster tasks to perform. For example, if you want to write a 50 page eBook, you can divide the project into ten steps. You'll write five pages a day for a total of ten days. In this way, you will know that your daily task is simply to write five pages. And if you work as planned, you will also know that within ten days you reach your goal. To now that you know what to do. The second step is to create a concrete action plan based on the chosen go. To organize my weeks, I use a Google Sheet divided by months, weeks and days. Every day, I read the corresponding little tasks. In our example, if you are about to start working on your ebook on Monday, then right in your daily plan, write five pages in the Monday section, then this aim for Tuesday, Wednesday, and so on. Three, another essential step. Remember to update the action plan at each new task to complete meat-eating appointment, et cetera. This way you will stay focused on what you need to do and you will risk forgetting important tasks. What I suggest is to create a concrete action plan where you can write down your daily tasks and which you can always check. My advice is to create a visual, adaptable, easy to consult, and update table. You can use the tool you deem most suitable for you. Personally, I use Google Sheets. So let's see how we can turn theory into practice. We will try to focus attention on optimizing the time available through a schematic representation. To help you further, I have prepared a document for you that you can use to organize your days. In this table, you will find all the months, weeks, and days for an entire year. And if you want to use it also for future years, I recommend you to make a copy of the document. Now, as you can see, each day is also divided by hours. If you want to become an organization mania, you can plan what to do every hour of the day. Or you can simply make a list of the tasks you need to complete during that day. I can give you my advice, but it's actually up to you to organize this document in the way that best suits your needs. For example, a person might wake up at 630 and decide to begin his meditation at seven for 30 minutes before having breakfast. We can therefore, and this activity in the box, there are activities that I do every day, such as a mindset session. In this case, I created this section between the name of the day and the hour. It's here that I write my everyday commitments. During the mindset, I read the documents that I created myself, where there are images of my vision board, some motivational quotes that inspire me for the rest of the day, providing me positive energy and that can help me improve my concentration. Of course, I invite you to have a mindset session every morning. It only takes ten minutes or less, and can also be just a bad visualization in front of your vision board. Then I review my daily tasks to get a complete picture of the situation. While you are writing down your daily tasks, you may want to use a different layout or font. Just finds the design that best suits your personality. I personally like to use colleagues very much. For this reason. I love to color the tasks related to physical exercise with pink and the activities related to leisure, such as cinema, dinner with friends, et cetera, in light blue. And even when I complete these tasks, I like to keep them in these colors because at the end of the week, it will be easier for me to understand if my private and working life height balanced. As for all the other tasks, I write them first on a white background, and after completing them, I like to put a very nice green on their background. This step helps me a lot. The emotional level, because see concretely that completed activities gives me a sense of satisfaction. I feel satisfied as I have given meaning to my day and I feel I am getting closer to my goals. As you may have noticed, there is an additional section at the top of my action plan. I've entered a space for the month in which I write the results that I want to achieve within this month. Then I divide my monthly goal into smaller steps, inserting the result I want to achieve every week in this section and divided into four parts. So here I write what I want to achieve for that specific week. To divide your monthly goal into smaller parts, you can ask yourself, what do weekly goals do I need to complete to achieve the monthly result? With the same logic, you can divide weekly goals into daily ones. This technique is extremely useful and will guarantee you concrete steps towards the desired result. Here is a tip. Now that you have a complete picture of the situation, you can use this action plan as a reference to organize your short or long-term goals. Think about what you want to achieve and then create your daily, weekly, and monthly plan. A little warning here. I planned the day the same morning, but I recommend you to schedule each activity at least one day before. Plan your tasks in advance in order for you not to waste time just because you don't know what you have to do that day and do not forget the most important step. Write down the tasks you want to complete according to which results you want to reach. There is no time for procrastination. No time to begin secure, no time to waste basically. But pay attention. I'm not just talking about business or work here, but also relationships, health, private life. There must be a time for fun. Therefore, in your action plan, fun time for activities such as going to the gym, and moments of leisure, such as having dinner with a special person. I am more than sure that this tool will be of great help if you decide to use it every day. I hope you will get the same benefits that this strategy has brought to my life. Thanks for your attention and see you in the next lesson. 6. 8 Steps to Create a Success-Based Routine: Eight steps to create a success based routine. In this lesson, we are going to see why it's important to create a daily routine and how to do a plan in order for there to be efficient for us. First of all, we need to understand that routine is a great way for us to maximize our productivity and minimize effort, expenses, and wasting of time. In other words, it's a great way to achieve our goals. And we cannot forget that in order to achieve a goal, we need a plan, not just a dream. And in order to have a plan and meet our expectations, we need self-control. We need to be able to focus on what we do. But sometimes we run out of self-control and then we feel tired. And we have the perception that our tasks are more difficult than what they actually are. And this will also have an influence on our mood. And this is why we have to establish a daily routine. We can follow each day in order to get the job done and achieved long-term goals. So how can we do it? Let's see. First, before creating a routine, you need to clarify your goals. If you have no idea about what you want to achieve, you will never get it. So think about what makes you happy in life and what you like to do. If you were doing something you don't like, just focus on what you love and makes you happy doing something you don't like, makes absolutely no sense. You are wasting time in your life. And if you are doing something you don't enjoy, at least be sure this is just temporary and useful to achieve something that instead makes you really happy. And remember, of course, in this routine, you will need also to put your duties. Things that you have to do like going to work, going to the University of your student, looking after your children, et cetera. Second, practice, healthy sleep. Decide exactly what time you wake up and a onetime you'll go to sleep. Also take, of course, in consideration when you are more productive. If you have a bunch of energy in the morning, it does not make sense to put the alarm at 12:00 PM because you will miss the best hours for you to work. In any case, it's highly recommended to sleep at least eight hours. Third, follow a healthy lifestyle. In your routine. They must be time for physical exercise. This is extremely important, not just for your body, but also for your mind. Also, do not forget the benefits of a healthful diet. This has of course, also a huge positive impact on your body. You will feel much better, unhappier. This means you will also work better. As a recommendation, if you smoke, just stop it. It's not good for your health. Not good for your relationships because smoke smells bad and not good for your wallet, because you can take that money and invest in something much more useful for your life. Invest in your business, a training course to improve your skills. Healthy food, or also, why not a vacation? Force? Work on your goals every day? Here we have a very nice quote by Gretchen Rubin that gives the idea of the concept. What you do every day matters more than what you do once in awhile. Make sense, right? Think about an athlete that needs to run a marathon. If he works on his performances every day in the long-term, he will have for sure, better results than if he trains just once in a while or once per week. And this works for goals to, if he stays focused and work on your goals day by day, you will achieve them in less time and probably with better results. Fifth, avoid being unproductive. Do not go over your limits. If you work for too many hours and too hard, just take a break or planet for another day. Actually, this should not happen if you plan things well the day before. Like you should not plan to begin and finish a very big project in one day if you need to work too hard on it. So this is also about planning. Divide the big project in different easier tasks that you can complete day by day according to your energies and time. And of course, taking into account also the deadline. So make sure to start working on it, considering your time, commitments and availability. Six, cultivate social relationships. We are social beings who cannot imagine spending all your time in a room for weeks just to work, work and work. Relationships are also very important. And they represent the goal of many people spending more time with the family, having a baby, getting married, et cetera. Basically, relationships opened the way for our happiness. Let's say you watch one hour of YouTube video per day about puppies doing funny stuff. How many hours would you waste in a week? And how many hours would you waste in a month and in a year? Why don't you read a book instead? Why don't you practice a language or an instrument? Why are, you know, working on your business in that hour? There are many activities that are just bringing you far from your goals. And be careful because these time waster is by not just social media or TV, but they can also be relationships that are toxic for you, bringing you far from what you want or convincing you that you could never get there. And actually, you know what? You need to realize that you are taking the decision to procrastinate. So your biggest obstacle between you and getting what you want. Well, is yourself, you are your worst enemy. Here we have just two things. Excuses or results. Case. Plan, your day in advance. This is a great way to get the job done. You will not just complete more tasks, but also you will waste less time. In fact, if you don't plan, you may be distracted by unproductive and useless activities. Well, you could be focused on something useful and with something useful for your life. I do not mean just work, work, work, but also socializing or spending time doing something that you really like. In conclusion, it is important to emphasize that not all goals are the same. And for this reason, the correct strategy must be applied to each specific one. 8. In this lesson, we will talk about short tasks and I will explain to you one of the techniques used to quickly complete these types of tasks. You can try it and understand if it is suitable for you. What we can do is apply this rule to bigger tasks and divide the main task in smaller ones. For example, let's say you want to go out for a run, but in your mind, that's too much effort. Okay, let's go step-by-step. Your first task will be putting on your correct outfit. That is a pretty fast task to accomplish, right? Then take your running shoes and other small task accomplished that requires less than two minutes, then leave your house, lock the door, and start running. Is it still too much? Then, you know, think about running for one hour. Think about running for five minutes, then for ten additional minutes, then 4-5, et cetera. And this has a different impact on how you think and how the effort will affect your mind. So in conclusion, the idea is trying to keep your tasks as small and simple as possible. Imagine reading one page of a book every evening, instead of thinking of reading the whole book. The logic behind this rule is that the time lost implanting an action is sometimes equivalent to the time necessary to complete it. In addition, executing an action gives us a feeling of efficiency. Of course, to apply these real optimally, you need a certain amount of common sense. For example, we must prevent the two minute rule from taking over our most important goals. The timeboxing technique actually organizes time into boxes, which means into moments while you are productive, that are then alternated with breaks.
