1. Introduction: Being able to
manage your time is a superpower that many
people underestimate until you realize how
attainable it says to live a life where you
can make time for all the things that
matter to you. Most effective time management improves your time efficiency, allowing you to do
things that you enjoy. Hence, if you want to
maximize your life, you have to be able to
maximize your time. Hey guys, My name is
Lydia and three years into my intense
medical school degree, I've been able to run a
part-time YouTube channel, execute creative projects,
stay on top of my studies all while living my best life as a multifaceted individual. One of the things that
has allowed me to juggle multiple
deadlines and commitment is a sustainable time
management system underpinned by various elements. This class will help
you build that system for yourself so that
you too can do it. All. The different stages of the system include
mindset, resources, reclaiming your time, routine, adaptability,
intentionality and more. I'll walk you through
the different systems and how you can apply
it to your life, which will be pivotal
in allowing you to execute your commitments
efficiently and productively. Let's get started.
2. Flip The Switch: One of the first things
I had to do to formulate a sustainable time
management routine was changed my mentality
and flip that switch. I flip this switch in my
mindset from self rejection of the idea that I could strike a healthy work-life
balance for myself. So finally decided to
take control of my time. It was not just necessarily, but absolutely life changing and how I shaped my
life going forward. You need to come to
that understanding that time management is
not just a resource, is not just a physical
product or an action. Above all these things, time management is a mindset. Time management is a decision. You need to make a
decision to be intentional about pursuing sustainable
time management, not one that is dependent on
a short burst of motivation. You want to build yourself
disciplines that at time management is
interested in your daily, monthly, weekly routine
and becomes a lifestyle. Get rid of any excuses
that might be stopping you from pursuing time
management as a lifestyle, as a long-term thing, whether that be
dashes, how I am, I can't stop procrastinating, put barriers in place
to mitigate against these things that we
have personified, to mitigate against
these things that we have made into habits. I will be sharing resources
later on to keep you accountable and fight against things like
procrastination. But the main thing that I
want you to take away from this lesson is at time
management, a decision? It's a decision that
you have to make. So be intentional in pursuing.
3. Reclaim Your Time: You can not move forward to begin practically
managing your time if you have no idea where
your time is actually going, visibility and awareness go a long way in showing you
exactly where your time is going and how slight alterations can influence your
overall availability. This requires you to sit down, reflect, and write down exactly
where your time is going. I know it seems, guys, but I promise you
this is a necessity. I will be so beneficial for you for the
rest of the course. I'll be using Notion to do this. And if you haven't
heard of notion, it isn't only one workspace
where you can plan, collaborate, and get organized
equally, you can do there. She's in other applications
like Excel or Word document. First thing first is
to create a table with three columns for column one type in the
header commitments. This is quite self-explanatory and this is where
you're going to be listing all of your
commitments in the second column
to type in demand. In this section, we're going
to be typing out exactly how much time a particular
commitment requests from you. Then we're going to have a
third column called comments. We're not going to be using
this column just yet, but it will come in
handy very soon. Your table should now have
three different columns, commitments, demand,
and comments. So now that we've
drawn up this table, we're now going to
dive straight into the deep end and start
filling it out using column one type of every single task or commitment that takes up your
time on a regular basis. It says up to you how boards
you ought to go with this. You can type in
your part-time job. You can type in your
studies if you're like me and you go university
every week, or you can even take it a step further and typing things
like social media. If you're anything
like me and you spend hours and hours on TikTok
than it's definitely worth adding that to your
table wherever your time is going on a regular
dedicated basis, it has definitely
worth jotting it down. So looking at the commitments
before we move on, is there anything there
that shouldn't be there or you would like
there that isn't there. I hope that made sense. If there is any
commitments that you know, you should be doing or you'd like to add to your life that perhaps isn't on the table
for free to type in. This is your chance to really recalibrate and
you set your life. Make sure that you're
being realistic about other commitments you are
adding onto the table. So it doesn't just have to
be your current commitments. It can be future
commitments as well that you'd like to add to your table. Once you're done with this,
we're now going to move on to column two, which is demand. How much demand does that particular commitment
required from you? I eat. How much time do you
have to set aside or invest into that activity
in order to fulfill it. This may take some time, but it's important to be
honest with yourself and be accurate as possible
once you do this, once you sit down and figure out exactly where your
time is going. And you have that
visual representation in the form of a table. That is when you'll be
able to see what it's eating into your
time unnecessarily. Also what needs more of
your time and attention. I just absolutely
love this because it gives you an overview
of exactly where your time is going on a
daily and weekly basis will be using this table in the upcoming lessons to help
you organize your time, cancel certain tasks if need be, and also divide your
time adequately between the different
aspects of your life.
4. Refine Your "ALL": Leading on perfectly from
the previous lesson. This one is all
about priorities. When I refer to the phrase
You can do it or it does not mean do it all literally. No, it means do what matters. The ultimate goal is not
to pile up your play with as many responsibilities
as possible, but it is to do what matters and successfully manage your time between these different things, putting your happiness
and fulfillment fast. It's so important to define your own because this looks
different for everybody. Having a clear tunnel vision of exactly what your role is, is so important and
refining your priorities. You want to make sure that
all of the things that you are trying to
balance are worth it. In other words, you want to make sure that it is a priority. So referring back to the previous commitments
table that you just typed up, we're now going to be
shifting the different rows. Well guys be shifting
the different rows according to priority
with the one at the top being what you prioritize
the most and the one at the bottom be what you
prioritize the least. Once you're done, take a
look at the final table. Does the order in which you
place a different priority is reflect how much time
you dedicate to it. For many of us regarding
certain activities, the answer will be no. And this is where we're gonna be using the comments section. They'll comment section
in our third column is to really refine those priorities. What do you think is going well? What do you think he
needs to do more of? What do you think is wasting
your time and perhaps not contributing to the ideal
time management system you'd like to set
up for yourself. Any of you would
like me to create more refined and detailed
Notion templates. Take this whole process. Will you let me know in
the comments section? Do not be afraid to mitigate against things not worth
your time and cancel them completely if you try
to balance multiple things that ultimately do not contribute to any
aspects of your life. It's all lead to burnout. You need to be able to narrow your focus to
things that matter.
5. Intentionality: It is easier to be
intentional once you know exactly what
your priorities are. And the reason why you're even
watching this course right now is because you probably
have some professionals, social and financial goals. And you understand
how important it is to be intentional
about what you do with your time to work towards those
longer-term milestones, attainable habits,
build longevity. And we want this time
management system to last us for as long as possible. So referring back to the
commitments table top of the comments section with
intentional habits in textual habits that we're
putting in place for sustainability and to work
towards the bigger picture.
6. Gather Your Resources: Now that we have acquired the knowledge and understanding, we can now move on
to arranging all of our relevant activities
into a routine. But to be able to do this, we need to gather our
resources available. One is the visibility
and awareness tool. This is a must-have in allowing me to know which
activities you have coming up and how
much time you can allocate to each one without hyper visibility to super easy for deadlines
to slip past year. This will leave you
feeling overwhelmed and stressed and therefore
unable to manage your time. There are lots of
different visibility and awareness towards available. For example, Google
Calendar is really good. I personally use the
iPhone calendar. It is directly sent to
my university timetable. I get direct access to all
of my upcoming lectures, different deadlines I have so that I can structure my life and other activities around this
main task of university. The second category is
an organizational tool. This is quite self-explanatory, but you need to be able
to organize yourself into every teen if you want to
keep on top of your time, this is essential in shaping your personalized time
management system. To do this, you can use a
digital planner notion. I personally like using a physical planner or
Passion Planner to be exact, because I find that
layout super convenient. The third category of
resources is accountability. You are more likely to complete an activity or commitment in this allocated time
slots if you have some type of accountability. In addition to this, I find that accountability resources
are super-helpful when more demotivated and need that extra purchase
could be a friend, a study partner, and
Jed body equally. It could also be a
digital application, though there are many out there. My personal recommendations
would be apps like hold or forest on the app hold for every 20 minutes they
stay off your phone. You actually get to
accumulate points. You can accumulate points
and gets access to amazing incentives
like Free popcorn, free cinema tickets, Mother's Day gifts of
bunch of different things. So you should definitely
check that one out for yourself equally forest is another productivity
application where you get to plant and
grow a digital tree. And the longer they stay, focus on a particular task, the more that you are
able to grow that tree.
7. Class Project: Lesson six was all about
gathering your resources, where I detail my favorite
time management tools that span three category, visibility and awareness, organization and accountability. Now, it's your turn
for our class project, I want you to detail
at least two of your favorite resources for
each of these categories. Type this out and
be sure to upload it on the projects

8. Create Your Custom System: Now that you have collected and expanded your knowledge of the different elements involved in efficient time management. It is now time to
create your own system, one that is underpinned
by sustainability, intentionality, refined
priorities and productivity. Creating this pattern as
blueprint of a routine right now will allow you to repurpose and reuse it for weeks on end. Aside from the knowledge
that you've acquired your costume time management
system lives within your intentional weekly
routine for which you will need three
main things are visible and awareness tool and organization tool and your
table of commitments, creating a sustainable
weekly routine for yourself that you can
genuinely commit to. We'll put you in the best
position possible to excel at your daily tasks and also have time for yourself every
week will of course, look different depending on what deadlines and activities
you have coming up. However, if you set up this
foundation for yourself, you'll be able to create a methodological time
management system represented by a weekly routine. Apart from all the time
management benefits, weekly timetables are
key in allowing you to improve your productivity and
reduce feelings of stress. This is a secret that
allows me to keep on top of my non-negotiables
like medical school, editing a YouTube video, as well as my
extracurricular activities. So let's get started with
a step-by-step guide. Step one is to blacks, using an organizational
tool of your choice creates a very rough Monday to Sunday schedule for
your upcoming week. This will be where
you black or jot down everything that you have
coming up in a very rough way. I was walking your mandatory
toss your hobbies, your non-negotiables, your social commitments,
everything. This is where your visibility
and awareness to it as well as your table of
commitments will come in handy. This combo is so useful because your table
provides a framework and your visibility and
awareness so will mean that you have
complete control and an overview of what
is coming up so that nothing sneaks up on you when
blasting onto the table, be sure to include small details like how long back
the task take and make sure that you avoid using fake abroad times when
describing what the task is, ensure that you are happy with all the things you are jotting down and how regularly sites
and commitments may come up. If you want to store confused despite your table
of commitments and your visibility and awareness to try to ask yourself the
following question. How many hours can you
afford to study or work each week if this
is applicable to you? When can you fit in time
for your basic human needs? Adequate sleep or eating well, how can you make
sure that you make time for yourself
during the week? Is it taking yourself
out on a date? Is that Hobbes, this is
definitely not the final product. This is just here to give you a brief overview of
your upcoming weeks. That too is Task batching
and time blocking. Task batching is a concept
in which you try to group similar activities
and tasks together. You can also divide your
data into time blocks. Batch take a look at the overview of your
week and noxious out which activities are quite
similar or the same genre. So I can therefore be grouped together into a
single time block, which blocks require the
highest concentration of holes. And you may want to place this at a time where you are
fully concentrated. For example, for me,
that is the morning, any of you would
like me to create more refined and detailed
Notion templates or facilitate this
whole process for you. Let me know in the
comments section when Task batching
all time blocking, this is your time to make a good judgment and be flexible
and make your timetabled personal to you and your
lifestyle for many tasks that can't necessarily be batched or fit
into a time block. Try and look for a window of opportunity where you
genuinely have time to spare, can afford to squeeze
an activity in there. So for me, if I'm trying to do more flashcards for revision, I might squeeze days during
a time where I know that I'm maybe commuting to university
or maybe on the train. And this will allow me
to kill two birds with one stone and save time overall, step three is to finalize things on your timings,
looking realistic. How was your week looking? Can you genuinely handle everything that's
coming up this week? Verify what you have written
and make a few more changes to finalize this as your
timetable for the week ahead.
9. Adabtability: I just wanted to
remind you guys that work-life balance is fluid. Therefore, the main way to make effective time
management for a healthy work-life
balance sustainable is to be flexible and adaptable. This isn't a solid system. It is a blueprint that
needs to be re-calibrated, unadjusted past
season in your life, which is why it's usually useful to do this
things digitally. See your work-life
balance as less of a seesaw between
burnout and happiness, and more like a pie charts
that is constantly being reshaped to suit you
and your lifestyle. Your work-life balance
will never be static, just like you as a human
being will never be static. So be willing to change
how much work you do or how much time you invest
in a particular activity, depending on what is going on in your life at
a given moment.
10. Summary: By now you will have a time management system
that allows you to do it. Or the different stages of the system cover
mindset, adaptability, reclaiming your time,
intentionality, routine and more. This knowledge has now
been condensed into a weekly routine that you
can consistently repurpose. That time management
becomes a lifestyle, is possible to live a life where you can make time
for all the things that matter to you and do it on if you enjoyed
