Signature Style : Crafting a Stunning Email Signature with Canva.

1. Course Introduction: Welcome to this class. I'm Chitra Deshpande, I'm instructor for this class. In this class, we are going to create a stunning E mail signature with the help of Ma. The email provider we are going to use is G Mail, because that is widely used email provider. We are going to use Gmail. You can use any other mail provider like Apple Mail or Microsoft Outlook, or Y Mail. You can use any other different email providers to do this work out in this class. Here you can see on the screen, this is the outcome of the class that we are going to achieve in, by the end of this class. Here, I wanted to tell you first that what is an e mail signature? E mail signature is nothing, but it is a little block of information. You can see here, it is a little block information which sits at the end of any professional e mail and tells us what you need to know about the sender. This CPL signature is a visual reminder of you and your brand. You can see here, if I click on this, this is what we are going to achieve by the end of this class. It can be, instead of this photo here, it can be your brand logo and brand name. And what is the profession is all about phone number, website and a website name. How the recipient can contact or also you can include different social media icons. By the end of this class, we are going to achieve something like this. That whenever you send the e mail to e mail to a person, by the end of every email, this e mail signature is going to be attached to. It represents your brand, your authority. With the help of this, you can generate more leaks and you can boost engagement in different channels. It actually represents your brand. In the next class onwards, so we're going to learn how we can make this with the help of Cam. Thank you. See you in the next class. 2. Steps to create Email Signature: This class, we are going to design email signature or something like this, where it has your brand logo or brand name or your picture, your name, what is what do you do? What your branders your contact information, and it can be your phone number, website name, social media icons, or the location. This is what we are going to design in this class. Before we start designing in Ca we are going to follow some simple steps. That steps we will see now. First, you should have a design idea. It means So you want to you want to project your brand. So whether you want to include your brand logo or you want to include what colors you want to include in your email signature, what are your brand colors. So whatever you're doing in this email signature, make sure that it should match with your brand colors, which you're using it everywhere on your social media channels. So make sure that it matches with your brand. So whether you want to include your picture or whether you don't want to include your picture, then your name or the brand name, then what it does and the contact information. So you should have a design idea, how you want to make the email signature. After that, you should create a Canva account and then you have to search for a email signature template. Either you can do it from the scratch or but I recommend there are many free and pro templates which are available, and there are many beautiful designs which you can see, and you can addit those templates with your brand name and brand colors. Then you can filter the templates based on the color, which we are going to see now in the next class. We are going to filter the template based on the profession, whether you want a corporate e mail signature, whether you want something something business email signature or whether you want something which is to be related with the restaurant business or the real estate business. So it depends on the profession, you can filter the things and you can filter the things depending upon the theme and the category and the color. Then you need to customize it. You want to add your own your own name and your own location, your own contact information, then we are going to do we are going to export or download it as a JPG or PNG. Then we are going to attach it to our mail. These are the steps we are going to follow while we are designing the e mail signature with the help of Cana. Let's see in the next class. Thank you. Okay. 3. Search for the Template: Welcome back. In this section, we are going to start designing the e mail signature. Before we start designing the e mail signature, first you need to follow the steps which I have taught in the previous section. We'll, we'll follow those steps while we are designing the email signature. First one is you should have a design idea about how you want to represent your E mail signature. I already have a design idea in my mind. I want to have my own picture with the name and the designation, and some contact information of my website or social media icons, which I want to include. This is about the design idea which I have regarding my e mail signature. And the next step is to create a Canva account. If you already have a Cana account that is well and good, otherwise you can create a Canva account. We are going to do this with the help of free Cana account. I already have an account, so I've logged in into a Canva account, and once I logged in into Canva account, you can see here, there will be a search bar where you can search something like e mail signature. Here I'm going to search it as e mail signature. Since we are designing the e mail signature, I want to keep it minimalistic. So I'm writing here it as a minimal, then click Enter. Once I click Enter, you can see you'll get a large number of email signature templates, which you can take inspiration from. You can see the backgrounds, you can see what all information it has. You can just go through these templates and you can just mix and match with the colors. Or if you're not sure about the colors, but if you already have your brand color, okay? Suppose for example, I have my brand colors purple, okay? I'm going to use it as a purple in my purple background somewhere. The purple background in my e mail signature and some text. And the picture you see, if you do not have a background color, you can stick with some lighter shades. Or if you already know your brand colors, then you can go for those brand colors. Here you can see the set of email signatures. You can filter it out. You can refine these email signature with the help of different categories, whether you want a business email signature or educational. Here you can just see different categories, different styles you can see even with the help of colors. Suppose if I choose. 4. Filter the Templates: In to refine with some colors. What we'll do is click on all the filter filter stab. Once you click on All filter tab, you can see the different category depending upon the style, depending upon the theme, depending upon the subject topic, whichever you want, depending upon that topic, You can filter the email signature here. Suppose I want to filter it out with the help of colors. Okay, suppose for example, if I click on Orange Color and then I click on Apply. You can see now only the orange color related shades or e mail signature templates will appear over here. But I suppose I don't want these to be used. Okay, then what I have to do is again, I have to go back to all filters. I can click on Clear All. Then again apply that particular filter. Then again, that particular filter will get removed. Here I'm choosing the minimalistic template so that it is easy for you to understand. It will just scroll down a little bit. We'll just scroll down a little bit. I'm going to use a free template if you take inspiration from here itself or else you can take inspiration from other social media channels like Pinterest or Instagram, or from your friends. Also, you can take some inspiration that, how do you want to design an e mail signature? But in Canva itself, we have so many templates that you need to go somewhere else to look for, to take inspiration from different channels. That is what I feel. But you can just look around here and you can mix and match the backgrounds. You can mix and match the colors, okay? Suppose if you do not have a brand color, you can just look for minimalistic template which you want to use it for your particular business. Here you can see this particular pro, it means crown. You can see it. This is a paid one. I'm going to use the free template. Let's go and this template, this is somewhat a minimal. And the gray white minimal real estate business e mail signature. If I want to use this, I should on this particular template, I'll click on this. So if I want to maximize this and I want to customize this particular template, what you have to do is you have to click on customize this template, It, otherwise what you can do is you, I'll just close this if you want, you can design it from scratch as well. Okay. I'll show you how. Let's click on this particular template. I want to customize this template. I'll click Customize this template button. You can see now this is the template, what we have seen. You can see the dimension of this template. You can see the dimensions here. If you click on file, you can see here e mail signature. It is of dimension 400 pixel into 200 pixel, 400 pixel width, and 200 pixel height. This is the dimension of the template. In the next class, what we'll do is we will start customizing this template and we'll let you some results over here. Thank you. We'll see you in the next section. 5. Customize the Template: In this section, we are going to customize this particular template to suit it to our brand. What we're going to do here, we are going to make it something like this, which we have already thought in the first section itself. This is what your outcome of the outcome of this class. It should look like something like this. If you already have your brand colors you can create for your own, for your own brand. You can create the e mail signature for this particular class. I'll, before it was like this. We are going to make it after the editing, we are going to make something like this. Here we are going to edit. First thing is we need to focus on the background first, we need to edit the background, then we are going to edit the text. I'll stick with this background. If you want to add different backgrounds, we can see here, if you want to add different backgrounds, you can add different backgrounds. Or you can also go here in the back background tab. And you have many different backgrounds which you can use it. But since I want to keep it to minimalistic, I'll stick with this particular background. If you want to change any colors, then you can change it, since my brand color is purple, I'm going to change this. While you are editing the e mail signature, there are two tabs which are really important. The first one is the element stab and the second one is the upload stab element Stab. Why you're using is to add different elements. Suppose this is an element that is the phone and email, and the location and the worldwide web. These are the elements if you want to use these elements. The first tab which is important is the element stab, where you can add social media icons as well. The second one is the upload stab. You can see here upload stab, where you can add your pictures, your own pictures or your own brand logos. You can add it from here. The two tabs are important elements and the upload Stap. I'll go back to the elements Stap. First, my background is fixed. Now I want to change the color of this. I'll change the color of this with the help of my brand, Color is purple. Click on this particular background, I, I already have my colors over here. If you do not see all these things see here, you can scroll down a little bit. If you see in your Canva account, well, if you can see the default colors, you can choose from them. Or if you're following along with, with the same class, with the same template. So what you can do is you can just choose a purple color from here. You can choose a purple color from here. Okay? So here I'm going to choose this particular color. Okay? If you want to see the hexadecimal number, you can see here, you can just copy this hexadecimal number. Once you click on this color bar, you can see the head similar number over here. That is 9567f. Okay, we can change the color of that to this. Now I want to change the photo of this. I'll just go back to the upload section where I have my photo. I'm going to upload the photo from there. I'll just go here. I'm just going to replace this photo with the help of this. I'm going to adjust this particular photo just by click, double clicking on the image. You can just double click and you can move it to the left side, right side or top or bottom. I'm just moving it a little bit. If you want, you can adjust the size of it. I just don't want to adjust the size. I'll just keep it as it is right now. My background is ready, the brand color is ready, My picture is ready. Now, I want to edit these particular fields. That is the information, whatever you're seeing on the right side. I want to edit those, which we are going to do it in the next section. Thank you. See you there. 6. Add and Format Text fields: In this section, we are going to the right portion of the e mail signature. We will start editing by clicking on individual fields. Here we can see there is some other name. I'm going to replace this with the help of my name. My name is C H A I, D R H I, And okay here instead of real estate agent, I'm going to click on this particular field. I'm going to replace this with the help of subject matter export. Subject matter export. Since I'm using the purple as the brand color, I want to just change this gray to purple. You can see I made it like this. I want to change the font of this. I want to make it running handwriting, so I'll just change it to, You can see it. Font to see, okay, I'm just changing it to upper case, not the upper case one does a capital letters, If you click on this, it becomes an upper case. I don't case letters. I want the normal fonts here. I want to, again, apply my brand color to this name. I want to make this little bit bigger. Click on this particular field and I'll just make it a little bit bigger in size. The text color, I want to make it, I want to change the text of this text, color of this. Right now it is in black. I want to make it for I want to reduce the size between these letters. What I can do, it did not get applied to, maybe I left that letter. Let's apply again. Okay. Now the color got applied to the whole field, whole text. So there is a lot of space in between. I just want to reduce the space. So click on this spacing. I want to reduce the letter spacing, or the line spacing. I just want to reduce the letter spacing, and this is fine for me 155. Okay, now let's keep a dummy phone number for this particular class. Here again, we can change the text. You can enter your own website here. Website, your website name here. If you do not have a website, you can enter if you're active on any social media, then you can enter those social media name here. This is the location. And again, here we are going to enter anywhere where your online presence is there, that particular name, you're going to enter your website.com Okay, so we can see this actually we are going to design this. Before it was up and now I got changed to, to look like our brand. And so like this we have changed. We have in the previous class, we have edited the background and the colors and the picture. In this class, in this section, we have edited contact information. All the contact information, all the text related information in the e mail signature. See you in the next class. 7. Export the Email Signature: Back. Now our e mail signature is ready, which is a minimalistic e mail signature with your brand color, with your picture, and some contact information. Your name and your designation. This e mail signature is ready. Just what we'll do is we'll name this e mail signature by clicking on this particular taboremail signature. Minimal. Click Enter. In order to use this email signature, what we have to do is we need to click on Share. We can download this as a JP file or a PNG file. This is for JPG. Either you can do it if you want some good back down, clearer image then the suggested one as a PNG. Click on PNG. Okay, then we are going to download this. I do not want two pages, I want only the first one just now what we have designed currently. I'm going to download this with the help of this now. Again, we are going to see whether it has come nicely or no. Again, once you see that you can make any corrections if you need, I'll just click here. I'll click on the e mail signature. 8. Check the Exported Email Signature for Corrections: Back in the previous section, we have created an E mail signature with our brand colors. We have exported it to PNG files. This is how the exported file looks like. You can see for any corrections you have any spelling mistakes or the background thing, you can just go back and edit in the canagan. Now I'm fine with the template. So what we'll do is in the next section we are going to upload it to mail with the help of G Mail Settings. We'll see how we can use this professional email signature so that every person gets this particular E mail signature whenever there will be any message which showcases your brand, your contact information, your website, et cetera. So see you there in the next class. 9. Gmail Settings: Now we have come to Gmail. And you can use any of the e mail providers like Apple Mail or Outlook. Here, since the Gmail is widely used e mail, I'm going to use this with the help of email. I've come to the Gmail. And in Gmail you have to go to Settings. In Settings, we are going to upload the image, whatever we have downloaded. 10. Upload Email Signature to Gmail: Now we are in Settings. Once you click on the settings, you can go to the General Settings. If you scroll down a little bit, scroll down a little bit, then you can see here, the signature tab over here. Once you see the signature tab here, you're going to add your signature template here. Click on the plus scon here, you're going to give some name to the signature. I'm going to give it as Rad. Then Create, then this particular rectangle box will open. Now I want to add my own email signature here. You had to add it as an insert, as an image, not as an attachment. Okay, here you have to insert it as an image to click on Upload My File, Whatever, I have downloaded the PNG file that is on the desktop, I'm going to use it as on the desktop, I click on this particular file, which we have created in the previous section. Click on Open. It is going to take some time to upload the image. Once it uploads, you can see here, it appears like this. Okay. Click on that particular image. I can make it small, medium, whichever size you want. I just want to keep it as a medium size. I don't want it too small or too large. I'll just keep it as a medium size. Then if you want, you can use a smaller or the larger image, whatever you want. The important thing here is that once you added this particular image here, you can see in the signature default Stam can see here it as a no signature, you have to change this to the name, whichever you have given to the e mail signature. Here, it is rare also, you have to change the name to Chi. Once you make changes, you have to save the changes before that. What I'll do if anybody clicks on this, okay, if you want to add any link to this particular image, this is a PNG file, so this is an image if you want, and once I click on somebody, clicks on that particular image. If you want it to go to some other link, you can add that particular link over here. Suppose if I want to add the name of my website is the Pane Academy.com What I'll do is I'm going to add HTcademe Academy.com If anybody clicks on that particular image, I want that person to go on this particular site. If you want here, you can display the text name of the. On my website is the Pande Academy. You can right here and click okay here. You can see it comes like this again. If you want to come to the next line, you can just click on Next. With the help of keys, please don't forget to save Changes. I'll just click on Save Changes. Let's go back to compose a file. Let's compose this. I can see here how it has appeared. You can see the e mail signature. Just now, whatever we have created, it appeared like this. So if I'll send it to any person, I can just I can't say that high. I just want to since I want to test it for myself. Okay. So I'll send this to myself. So and test the e mail signature. Test this e mail signature. Okay. I'll just send this consent. I'm just testing this. I can see here, I can see the email signature Once anybody clicks on this, I can see also the link once anybody clicks on this, it goes to the link where my website is. Okay. So this is where my website is if somebody wants to click on that particular link. If you want to add social media icons also here we will see in the next class how we can add that. This is all about the main thing, how we can create an e mail signature, and how we can showcase our brand whenever you're composing e mail or whenever this remains here itself, it remains permanent until and unless you change it in the settings when somebody suppose if you're writing a mail to somebody again, every time this picture comes signature, it attaches here. If you want to remove it again, you had to go back to Settings again, you had to go back to Settings and you need to remove the signature. Here again, you need to just click on our delay signature. You can remove the signature. This is all about how you can create an e mail signature and how we can use this email signature in your Gmail account. In the next class, we will see how we can add social media icons to this e mail signature. See here, One more thing is a social media icons within this template we cannot add because we cannot click on that particular link. Why? This is just for an information purpose. If anybody wants to, since this is an image, we cannot click on that particular link. If it is an attachment, we would have click on particular link and then we would have opened the site here. Similarly like this, how we have created a link here, we need to create a social media on in which social media account we are active, we are going to use that. You can send this as an image. I'll show you for one or two images, then we can also include here the social media links over here. Thank you. See you in the next class. 11. Create Social Media Links: Welcome back. In this section we are going to see how we can add social media icons to the e mail signature template. Here also we have to add it as an e mail. Just now how we have created a template which we have download as a PNG file. Similarly, we have to add different social media channels as image, and then we have to upload it in the settings for that, go back to your camera account and click on Create a Design, which is on the right side corner. Scroll down a little bit, here you can see a custom size, what we can create. Since we want a smaller images, we will keep the image size as a 50 by 50 or else lesser than that 50 by 50 fix click on Create Design. This is the 50 by 50 image, 50 by 50 canvas. What we have caught here in this, we need to add elements, we need to add social media icons. For that, we have to go to elements. Once we go to elements here, we can search for elements which we want to use. If I want to use Facebook, if your Facebook community where you want, anybody who wants to see that particular e mail signature, you want to go there to the Facebook account, then you can just add a Facebook logo over here. Click on the Facebook here. Again, I'm going to use this black and white because I can change this particular color to my brand color. What you can do is you just have to drag and drop to fit into this 50 by 50 size here instead of black. I suppose I'll stick with my brand color. Similarly, this is the Facebook. Similarly, you can just add a page. Suppose if you want to add one more icon again, go back to your elements stamp, click on Instagram. Suppose if you have an Instagram, again, click here. Again, I'm using the free icons. Whichever you can use that, you can go to this particular icon and just drag it to fit into this particular size 50 by 50. I will apply my brand color to this as purple. These are my two images, what I've got. Okay, I'll just download this as a PNG file. Go to Share, which is on your right side corner. Download. I want to download both images. Download. Once I download this, I'm going to upload this in the mail settings. Let's go back to our mail and we will upload there. 12. Upload Social Media Icons to Email Signature: Here we are in our Gmail settings. In the previous section, we have uploaded our email signature template over here. Here we are going to upload the social media icons images. Just make sure that where you want to upload those images, whether you want it to be like this vatical or horizontal, I want it to be in the horizontal. I have kept my cursor. Suppose if you want in front of this means you can keep the cursor over here. I want it to be in the next line. So I'm keeping the cursor over here so that I can upload the social media icons here. Again, click on the image. I'm going to upload the images. I'm just downloaded it. I'll unsp the file first. 13. Check the final Email Signature: Unzip the files, you can just add those images, social media icons over here, click Select from the computer, wherever you have. I'll first to choose the Facebook icon. Click. You can see here, mics is here. I wanted it to upload it here. Now the next icon I wanted it here, that is the Instagram social media icon. Again, I'll upload it here. Click on the image. Then again, upload the Instagram icon. It came here. You can make it small, medium, or large size. If you are thinking that these images are somewhat bigger, you can reduce the size instead of 50 by 50, or you can make it 30 by 30, or 25 by 25, then these icons will become somewhat smaller than this. I want to suppose here on this image, I want to add my Facebook handle again. Click on this particular image, click on the link here, I can add the Facebook, your Facebook account, for example. Here I'm adding www.facebook.com You can add your own Facebook account. I click on. Okay. Similarly, click on this Instagram icon, Click on this particular image, you can click on the link and you can add Instagram account over here, Instagram.com Okay. So we are ready with the e mail. Signature is ready with the social media quants. Whenever a person clicks on this particular Facebook or Instagram, it, they'll go to your particular social media accounts. Once you do that, you can click on Save Changes. Let's check that Again, compose here, you saw this particular Facebook and Instgam account have already been popped here. I'll just do the test. I'll just test this signature test right here. That's fine. I feel so these are somewhat larger. You can make it smaller with the help, by reducing the size send. You can see with the social media icons, if I click on this, the Facebook icon will appear and if I click on this, the Instagram thing will appear. Okay? This is the Instagram handle. Okay? So you can use your accounts here. This is all about how we have created a e mail signature and how we have used in the mail. And also we have used some social media accounts and links in the e mail signature template. You can use it for your business. If you want to represent your brand, you want to showcase your authority. If you want to boost engagement, then you can use this email signature. We'll see you in the next class. Thank you. 14. Your picture, the contact information, and what social media icons you want to use. You should have that design idea in your mind before you implement something. Once you have that, you can implement with the help of using a tool and then you can create this beautiful email signature. 15. Class Project: Congratulations for completing this class. You can create something like this e mail signature, which is on the screen, a very simple e mail signature. You can design this email signature the same design you can post within the class project section or else you can create your own design with your own name or your company name, your designation, company logo or your picture, contact information, website information, and your social media icons. And you can use this E mail in your Gmail account. We have learned in the class you can design on your own and you can submit this and you can post this in the class project section.
