2. Why Can’t You Work Faster: Hello there. In this video, I will explain why you
can't work faster. To make you understand, I am taking my own example, the video you are
watching right now, to make such videos required
minimum of three steps. These three steps are writing,
recording, and editing. These three steps are part of the same tasks and
dependent on each other. If I want to work fast, I have to be fast on
all these three steps. Let's say I'm good at writing, but I am super bad at
recording if that's. So no matter how fast I am
at writing and editing, all my extra time is consumed
at the step of recording. That's called bottleneck,
where the process of work flow gets
stuck or slow it down. In my example, the bottleneck is step number two,
means recording. At this step, the process of
creating videos get stuck. If I want to work fast, I must get better at
recording as well. But wait a minute, this
is just an example. I am already better at
all these three steps. If you are also facing a
bottleneck in your process, I suggest not to ignore it, because it's going to exponentially reduce
your productivity. Fast work is simple. It's not about being faster
at the things you do well, but those you do slowly. In the upcoming video lectures, I'm going to teach you how you can get rid of portal necks from your workflow with the help of some strategies which will help you work faster and better. So let's get started. We.
3. Single Tasking - The Secret of Optimal Results: Well, you may be among
one of those foxes who thinks working on multiple
projects can be appealing, especially when
you want to avoid getting bored with the
same kind of work. However, attempting to
divide your time equally between projects may not
produce optimal results. Many people mistakenly
believe that by multitasking, we can work across
all projects and can finish them all
at the same time. However, the truth
is that switching between taxes decrease
our productivity. I know it's hurts,
but that's true. And not only that, getting
distracted becomes easy too, which can result in a 20% decrease in performance for each
additional project. When you work on two projects, it's not balance of 50, 50 split, but more
likely a dismissed 40, 40% afford for each goal. I mean task. Similarly,
when we juggle three taxes, it's not an equally
distributed of 33% for each, but rather a mere 20% dedication for each project you
do at the same time. This is simple math you can do. Now suppose you find yourself dealing with several
important projects simultaneously and want to minimize the negative impact
of context switching. Here are some tips for you. Number one, don't commit to future taxes until you
complete your current project. Treat those upcoming taxes as optional until you finish what you are
currently working on. This approach allows
you to maintain focus and prevent distraction
from accumulating. Number two, if your
boss assign you a second project while you
are still working on one, ask for guidance on which
project should take priority. If your request met
with resistance, take the opportunity to explain the benefit
of single tasking. Emphasize how it can enhance your performance and contribute
to the company's success. Number three, when
switching between taxes, take short break to mentally transition and avoid
attempting to do multitask. These breaks give your brain a chance to reset and refocus, allowing you to bring your full attention
to the next project. Number four, some projects might require a
significant amount of time to complete to prevent other projects from being
delayed excessively. You can allocate
dedicated time block to work on them each day. By setting aside specific
periods for each project, you ensure progress is made on all fronts without sacrificing
quality or productivity. By implementing
these strategies, you can navigate multiple
projects, effectively, maintain your
productivity levels, and deliver exceptional
results across the board. Well, that's all I wanted
to express for this video. Let's jump to the
next one for more.
4. Energy Levels - Right Task For The Right Moment: Sometimes within a project, you may come across tasks that are more
challenging than others. These tasks could be difficult
due to factors such as your skill set or the nature
of the work involved. It is a common
temptation to put off the difficult tasks and
start with easier one. However, when you finally get around to tackle
the challenging tasks, you may find yourself lacking the energy and motivation
necessary to complete it. Working under these
conditions can significantly slow
down your progress to address this issue. One size fit all solution is to prioritize and tackle
the hardest task first by organizing
your daily activities based on their
energy requirements. You can optimize
your productivity. Taxes that demand high energy, such as analytical work
that require deep focus, should be scheduled when you
have the most energy level. On the other hand, taxes that require lower energy levels, such as creative work
or brainstorming, can be accomplished during
periods of low energy. Both types of taxes
are important, but aligning them with your energy levels allow you to complete them
more efficiently. Here is a simple
exercise you can try for the next three
to five days Regularly. Notice your energy and well
being every one to 2 hours, excluding sleep rate
your energy levels on a scale of one to ten, with one indicating
low energy well being and ten representing
optimal energy well being. If you observe any factors that may impact
your energy levels, such as consuming
coffee, exercise, or having a restless night, make note of them
as observation. After gathering this data, you may notice patterns in your energy levels at
specific time each day. Use your highest energy periods to tackle the most
challenging tasks. If your peak energy time
slot is not available, utilize the next best time slot available during
periods of low energy. Focus on completing less
demanding or creative tasks that don't require
deep concentration. By aligning your taxes
with your energy levels, you can optimize your
productivity and make progress more effectively
within your project.
5. The Power of Challenging Yourself: Hey, there in this video I will teach you
a simple exercise which will going to
help you increase your productivity and
speed of working. I bet you may have
heard this line before. Practice makes
perfect. Yes, it does. However, simply going
through the motion without pushing yourself
won't lead to improvement. To increase your work
speed and productivity, it is crucial to approach your
tasks with intentionality. Here is a time
challenge that can help you continuously
improve your speed. First, determine your
preferred in length. Example 20 minutes. Identify the longest
duration in which you can comfortably work at your fullest speed
without feeling drained. Each time you begin assessing, aim to surpass your
previous best time. This exercise assume
the presence of a measurable metric to track your work output
per unit of time, such as words written, calls made, or pages completed. Your field of work lacks
such quantifiable measures. You can adapt the metric to any two minute starks
that propel you forward. Initially, you may find yourself setting new records
every other day. However, as you gain experience
and refine your skills, breaking your own record
becomes more challenging. During such times, it's easy to become discouraged
or feel stuck. When this happens,
shift your focus to executing the tasks at hand
the best of your abilities. If you feel capable of surpassing at least
half of your record, dive in right away. However, if your level of focus is too low
to achieve this, taking a break can help you
work faster once you return. If your records
constantly hover over around your high number without
noticeable improvement, it may be an indication to
increase the session length. By following this approach, you not only enhance your speed, but also build
endurance over time. This intentional practice
help you sharpen your skill, enabling you to tackle taxes more efficiently
and effectively.
6. Flow State: When your skills align
perfectly with the level of challenge you experience,
optimal productivity. This state of work is
known as the flow state. You become deeply involved in your work and nothing else
seems to distract you. However, maintaining
this state of flow requires a significant
amount of concentration. If you are unfamiliar with
working in a flow state, every passing thought has the potential to
disrupt your focus. During a work session, your mind can wonder
anything jumping from thoughts about
forgotten grocery items, concerns about future
project phases. Without an effective strategy
to handle these thoughts, you may start to feel
overwhelmed and lose your focus. As productivity expert
David Allen emphasizes, your mind is for having ideas, not to holding them to maximize the time spent in
a state of flow. It's essential to offload those thoughts and
ideas somewhere else. Like notebooks, here is a simple brain dump
exercise for you that can be completed in ten to 15 minutes to
achieve the state of flow. Number one, grab a
piece of paper and dedicate five to 10
minutes to write down your worries or concerns about the current project
and your personal life. Allow your thoughts to flow freely without judgment
or interruption. Number two, if you feel overwhelmed by a
seemingly less work load, create a comprehensive list of all the taxes
you can think of. This helps you bring clarity to your
responsibilities and gain a better understanding of
the big picture after that. Number three, assess the
importance of each tax. If a tax is not essential, consider deleting
or postponing it, freeing up mental space
for more pressing matters. Next step number four, identify taxes that are related or can be
grouped together. By batching similar taxes, you can save time and
streamline your workflow. Number five, organize your list based on urgency and importance. Determine which tasks require immediate attention and which can be tackled at a later time. By the way, in few
upcoming videos, we will learn how you can
prioritize your task as well. For now, step number six, transfer the prioritized tax to your to do list or calendar, ensuring they are integrated
into your workflow system. While the process
may seem simple, the power lies in transferring your thoughts
from your mind onto paper. By externalizing your
thoughts and ideas, you free up valuable
mental energy that would otherwise be expanded
in trying to retain them. This mental decultring
allows your brain to allocate more energy towards
focus and concentration, leading to a notable increase
in speed and efficiency. By consistently applying
the brain term technique, you can optimize your
time in a state of flow, improve your overall
productivity and experience a heightened sense of clarity and
focus in your work.
7. The Power of Checklists: As a knowledge worker, you often encounter
recurring taxes even though each project may
have its unique aspects. Example of such taxes include
troubleshooting issues, project planning, or
conducting research. When tackling complex projects, a significant portion
of our time is spent figuring out what
needs to be done and why. Each time we begin
a work session, we find ourself
having a recall what was done previously and
determine the next steps. Perhaps you possess the
ability to focus effectively, but you still find that it
takes around 40 minutes to fully grasp the understanding of a task and begin
the actual work. However, by implementing
a simple, powerful tool, a checklist, you
can significantly reduce this time and
increase your efficiency. Here is how you can create
an effective checklist. Step number one, define the purpose of your
checklist and outline the specific step
you would typically follow for a given
task or project. This initial framework set the foundation for your
checklist effectiveness. Number two, test the
checklist by strictly following the outline
steps and nothing else. This approach allows you to assess the checklist
accuracy and identify any potential gaps
or areas for improvement. Number three, if the results of your test do not align
with your expectations, use your observations to correct and expand
your checklist. Incorporate any missing step or adjustment necessary to
improve its effectiveness. Number four, test the
revised checklist once again and repeat
this iterative process until you achieve an accurate
and reliable checklist that constantly deliver
the desired results. If you aim to enhance
your overall work speed, you may consider creating a
time management checklist. This checklist essentially
takes the form of follow chart that guide you in determining which project to
prioritize and work on. By adopting this approach, you avoid waiting for a delayed project
to resume progress. Instead, you can redirect your efforts toward
another project, such as Project B. Ensuring optimal utilization of your time By embracing
the power of checklists, you streamline your workflow, minimize cognitive load, and enhance your
overall productivity, whether it's for complex taxes or managing multiple projects. Checklists provide a
tangible framework that guide your actions, eliminates guesswork, and ultimately enables you
to work more efficiently. Please check the resource area. I think I may have ed a few checklists for you
to make your work easy. You can start with these
checklist templates and later you can
create your own. Well, that's all I wanted
to say for this video. Let's jump to the next one.
8. 2 Factor Work: Time management can only get us so far in
being productive. The real factor that
determines how much we can get done is how
complicated the task is. When a task is simple
and easy to understand, we naturally work faster. Well, I consider myself a perfectionist who always
strive for excellence. I really don't like
doing medicure work, but I have learned that if I try to create something
amazing from scratch, I can end up spending a lot of time just
thinking about it. And brainstorming here
is what I have found. It's often easier to
figure out what's wrong with something than to explain
what's right about it. Fixing mistakes or improving
existing work is usually faster than coming up with completely new and
groundbreaking ideas. We can use this knowledge
to our advantage. Perhaps I would like to mention few advices that save me a lot throughout my
working experience. First, the next time
you start a task, challenge yourself to finish
it as quickly as you can, even if it means the quality
of your work is not perfect. At first, allow yourself to create work that
might not meet your usual high
standards and resist the urge to add it or polish
it during the initial phase. Second, to avoid getting
caught up in perfectionism, set a timer as a reminder
to work with speed. Once the timer goes off, stop yourself from making
any more changes or additions after completing the first
version of your work. Give yourself the
freedom to fix and improve the parts that
you are not happy with. This approach might
seem strange at first because it's feel
like doing the work twice. However, the mental efforts required in the
beginning is much lower, which helps you finish
the tasks much faster, sometimes even two times faster. The important question is, are you willing to accept
work that is not perfect? By letting go of the idea of
perfection in early stage, you open yourself up to
make quick progress. And growing, embracing
imperfection helps you overcome the
t of perfectionism, leading to increased
productivity. And allowing you to accomplish more within
the given time.
9. Optimal Focus and Motivation: We all know that
works become more efficient and productive when
we can concentrate fully. However, achieving
that focused estate is not always easy. Sometimes we struggle for a long time before finally
getting into the zone. Sadly, many people give up
before reaching that point. But there are mental
strategies that can help you speed up the process of
entering a focused estate. It all start with
being intentional. In our approach to work, there are a series
of activities and ritual that productive
people commonly practice. Let's know these
activities so we can also get into
the zone of focus. First, clean your
work space or room to create an organized and
deculted free environment. Second, take a moment to groom yourself and present
yourself at your best. Third, consider taking a
refreshing cold shower if you are at home, as it can help
navigate your senses. Fourth, nourish your body with a healthy meal or
snack to provide the energy and nutrition need
for optimal performance. Fifth, engage in a
short workout or physical activity to increase blood flow and awaken your body. Six, dedicate a few
minutes to meditate or mindfulness exercise to calm your mind and enter your focus. Seventh, write down your goals and objectives for the works. Clarify what you
aim to accomplish. Lastly eight, organize
your virtual desktop or digital work space to minimize destruction and create a
cognitive digital environment. These are very basic
and easy to do. I hope you are not going to face any issue doing
these activities. You may be thinking, do these activities directly
speed up my working speed? Perhaps not in a literal sense. However, by engaging
in these practice, you suddenly find yourself feeling highly
motivated and focused. When you condition
your environment and demonstrate intentionality, your brain comprehend the
signals and adjust accordingly. The more you prepare yourself
and surrounding for work, the easier it becomes to enter a state of focus and
maintain your attention. Once you begin your tasks without undertaking
these preparatory steps, you may find
yourself questioning the purpose or motivation
behind your work. However, by setting
clear intentions and aligning your mindset, you shift from asking, why should I do
this work at all? To instead pondering, how can I do this to the best
of my abilities? By cultivating an environment of intentionality and incorporating these mental tricks
into your routine, you can lock the potential
for high tenured focus, motivation, and ultimately
improved work performance.
10. Let's Summarize It: Hey there. Let's recall what we have learned so far.
