1. Introduction: Hi and thanks for checking out my course on Google Drive. 2020. Everything you need to know in this course will cover everything from creating a new Google account, signing into Google. Drive up loading fires, creating files sharing files will even go over Google drives backup and sync tool to allow you to synchronize files between your computer and your Google drive for easy access. So whether you're a beginner or just looking to freshen up your Google drive knowledge, I look forward to seeing you in this in depth course that look over all the basics of Google Drive. See you in sight. 2. What is Google Drive? : hi and welcome to my course on Google Drive 2020. Everything you need to know. So in this course that we're going to cover Google Drive from beginning to end, we're going to cover everything you need to know to save time and be is as as efficient as possible with this. Fantastic, too. Okay, So just before we kick off our course, we're just going to talk about a what Google drive essentially is. So Google Drive is a fine, a storage and synchronization service developed by Google. So it's like heaven. Ah, an SD carrot. Essentially, it's a cloud storage format for you, for your files. So instead of carrying around an SD carrot or hard drive, which you to store your files and to back them up, essentially, we have a cloud based storage. So what you can do with Google Drive is place. You know, photos, videos, files, documents, all that kind of stuff. You can store them on the cloud using Google Drive. Now, Google Drive offers users 15 gigabytes of free storage. So it's It's almost like having a 16 gigabyte SD carried almost where you can store your photos and your father's back up and to move them around. So it's a very good amount of space to get started with. You know, now, like myself, you might be absolutely fine with fate. 15 gigabytes of storage. It's plenty for myself now. There are options that we'll discuss later where you can purchase Maurin if you need to. But the great thing about Google Drive is you can, let's say, work on a file at home uploaded to Google Drive. And let's say you are a student and you need to go to college. And when you go to college, you can then continue working from there by accessing Google Drive also, so it's a very useful way to access your files. For many, many locations, all you need is a machine, which is like a computer or a mobile device and Internet connection. Now Google Drive offers the creation and, of course, storage off Google docks, slides, sheets, forms and much, much more. So Google Docks is essentially the Google version of Microsoft Word, and the difference is you don't have to download a program on your computer to use Google docks. All you need is a browser window. You access Google docks, you sign in which your Google account and you can create your documents right there. It's very, very easy, very useful, very straightforward. It's very, very much a nine Google done or with Microsoft Word. So if you used to use in Microsoft Word, you will find this very useful. What's also great is you can access them from anywhere so you can access them again from your phone, your local computer or your friend's computer. If you need to be now, slides is the power point version. For Google, Sheets is Excel. It's an Exeter, so you can pretty much have your whole like personal or office or work layout on Google Drive now, Google Drive also synchronizes which your devices, such as your computer and mobile device, so you can create a folder on your local computer that was synchronized with Google Drive so you could access some local files in Google Drive. Now, you can also do the opposite where you can create a local folder on your computer that synchronizes with Google Drive so you can nets a pull files and edit files without going to a browser window signing in and all that kind of stuff, so it just makes life a bit easier now. We'll go through that later. In this course now, Google Drive is also a core component. Off G Sweet Nog suite is Google's product suite. For many businesses and enterprise, it's a It's a suite of services such as Dr Calendar, Gmail Contacts, etcetera, Plenty. Plenty of services. Now, if you want to look into G suite, I would recommend you doing some research in your own time. It's not necessary in this course. I may be doing a course on Google Drum on G suite in the future, as I want the technical support agent for many years with Google covering G suite. So I have a lot of knowledge in this area. So if you're interested in G suite, go have a look. But it's not necessary for this course. Now I want to recover in this course very, very briefly would run over some of the topics would be looking at from the very beginning . In case you don't have a Google account already with create one together, we gotta go true the steps and creating a Google account so you can access Google services such as Google Drive. We will navigate the Google Drive interface when we create our account. We'll also create and upload some files and folders to our Google account to where Google drive. Um, also, we will carry out then some actions on those files and folders. Now, actions include staring, renaming, trashing, moving, archiving, all that kind of stuff. Okay, so I'll show you how to do that to one and many files or folders at the same time. Now, one of the most important topics on Google Drive is sharing on Google Drive, so it's very important that we get used to sharing and how to share your files. Would other users on Dr This is the most useful part of Google Drive is the ability to share your files with other Google users as well as non Google users. Then we look into some Google drive settings. We look into storage will also look into adding Microsoft Word files on Google Drive because you can actually edit those files on Google docks, for example, and Dr will give you the option to do so, which is very useful if you're already using Mike southward. We reviewed the past activity on certain files and documents, and we will finish off the course by used installing and going over. Google drives backup and sync to, which is a tool that allows us to synchronize our local computer wit Google Drive. So I hope all of this isn't too scary. We'll go through it step by step in detail. Shot this course and you will be a Google drive wizard by the end of this, okay, you'll be a ways at all of this, and we will cover every aspect as we go. Create a Google Account: hi there, and welcome to our first video. So together, what we're going to do now is create a Google account to use Google Drive. So if you already have a Google account, which would be an account that ends in at gmail dot com, if you have one of those accounts, then you're ready to go already. You can skip to the next video, but for those of you who don't have a Google account yet and would like to know how to set it up, we will go true. It step by step in this video. Okay, so the first thing we need to do is open a browser window. Now that could be a Google chrome window safari window, Firefox window. Whichever browser you're using. Okay, so once you are at the Google Home Page, which is google dot com, we will just search for Google. Dr. Now I'm currently using an incognito window so none of my current settings will affect this . So what we'll do is search Google drive and we'll just select on the top result, which is google dot com. Fourth Flash Drive, and we'll click on this year. Now it'll give us a window like the first opening window here, saying some things about why you want to use Google drive. Is it for business or personal? What we're gonna do is select personal. Okay, so click on the blue box here that says Go to Google Drive. No, it's gonna ask us to sign in now. We currently don't have an account. So what we have to do is hover down here to create account and click on that. Now then you'll click on, Create account for myself. No, this is where we're going to create our account together, and we're just gonna have to put in some details about who we air. So we have to put in our first name here. So I'm gonna put Kevin and my last name O Brien. Cool. So user name. So this is going to be the user name off your email address that you're going to use now. As you can see, we can't edit gmail dot com. That's guaranteed it's going to end in this ending here. So what we need to do is come up with a unique user name that hasn't been used before already. So if I type in Kevin, for example, and click next. Oh, it's asked me for a password, so I just put in a password here. Okay, so if I put in Kevin at gmail dot com, chances are this is going to be used already. Yeah, exactly. So it says. Actually, it's not long enough. So if I just put in Kevin, maybe put my full name. I wonder if this is going to be used? Yes. It says this user name is taken. Try another. Now, I would love to have this, but unfortunately, there's another Kevin O Brien out there in this big, big worlds that took this first. So I'm gonna come up something a bit crazy. So we'll see if this works. Learn Dr with Kevin. So this is I'm just created this account for the purpose of this course. So let's see if this works Success. We're good to go. That's fantastic. So what we need to do next is in order to create a Google account, Google wants us to verify a phone number so it could make sure we're a real person. Eso it's gonna when we were when you type in your number here it's going to send you a message with a coat that you will then enter on the next screen, and then it will verify. Yes, you are a real human being. So what I'm going to do here is I'm just going to create I'm just gonna type in Excuse me? My number here, and I might blur to solve it later. There we go. And I'll just select next when you've entered your number. And what would happen here is Google will say Okay, we're just gonna text you number and a code, and I believe I've just received it. So what you need to do is get your phone or your device and type in the code that you have received. Now it may take a few minutes to receive that. Okay? It doesn't cost anything, as far as I know. Unless your network costs to receive messages. So I'm just gonna type this in here. Um 345 750 So these numbers only work within a few minutes of requesting it. Okay. So you can't use the same number later on again. You have to request a new number. Okay? Now, if you can't receive the text. You can click the option call instead. But I received a verification number, so I'm gonna click Verify here. Okay, so I have my email address. It has my number up here. It's asking me for a recovery email address. Now, that's a good idea if you have an existing email already, because what this will do is it will allow you to access this account if you forget your password, for example, so they can send an email to your recovery email address with a special cold to help you get back into your Google account. If you get locked out for some reason, I'm just gonna skip it for now. Okay, Now I'm just gonna enter my birthday on my gender. Now, if you have some questions about why they're asking for this information, you can click on here for further information. OK, When you entered that info, you just click next. Now it says we can get more from your number or sign up for details. Bloody Bella. We will skip this for now and then our privacy in terms. So the terms conditions. Make sure if you'd like to have a good look true that if you want. But just for now, we're gonna agree to this, cause I've read this all before, so I agree to the terms, and I agree to the privacy policy. And then we finally come toothy, create account. So just to confirm we are creating your account. No problem confirmed. And here we are. After creating the account, it lands us on the Google Drive homepage, which is exactly where we want to go. And that's all we're going to do for now. Okay. On our next video, we're going to jump into the Google Drive home page and go to this page in detail. So I hope you had no problems creating your Google account. Please feel free to jump back in this video or Paul. Is that where necessary? If you need some more time to select the right user name, for example, all that kind of stuff. So when you have your Google account created, I will see you in the next video 4. Google Drive Homepage: Hi and welcome back. So on this video, we're going to go through the Google Drive home page very briefly. Okay? Just so we get familiar with the layout here, So just start enough. We have Google drive appear in the left with the icon. So once you click that, it will always bring you back to Google. Drives home page. Okay. In case you're lost in, like, folders and files And what not on the top left. We have a button to create new. So we will go over this in another video quite shortly. But if we click new, it gives us the option to create a folder, upload a file or a folder and create some Google documents. Here, docks, sheets are slides. Okay, so we'll just kick off that for now. Right here. We have highlighted my drive, so everything here in the screen is located within my drive. At the moment, we only have one file which is getting started. But if we were to create new files, they will start to populate right here in the middle. And folders will also populate right here. This is almost like the desktop of your computer where you can have files and folders right in front of you and within those folders have more files. Now, just underneath that, we have shared with me. So let's say another user or a friend or a colleague also is using Google Drive If they create a file and shared which you it will appear here. Okay, so it would appear under the shared with me, uh, menu right here on the left. Now, the recent one is very useful because let's say you were working on a file recently and you're not sure where you place it in Google Drive. If you click on recent, it will show you the most recent fires you've bean eider working on or created. For example. Now, when you're categories documents, you can star documents. And what that does is it will list all of your stars documents here, and this is very used, useful way to like a prioritized documents, or just remember which ones you were supposed to be working on or just a fine document that's a very important at the moment, you know, Now you can start a known star, and we'll do that later. Also next you have trash under the menu here on the left. And that's essentially, I think, self explanatory what goes in the trash bin trash. So anything you're done with, we'll go here. Okay? So any files that you're you're just finished with goes to the trash and they list here. Now, you can recover them from trash if you need to. Um, but if not, they would just stay in here also. Now, under that, we have our storage. So in. So show some, For example, how much storage were using on or Google account on. Just how many bites off the 15 gigabytes we've used? Okay. No. If you need more than 15. Goodbye to combine storage also, but we won't look into that at the moment. Okay, So what I'll do is I'll just pop back to my drive up here in the left by clicking on that, and I'm back to my drive. Now we come with a getting started. Pdf. And what we can do is just double click on this. Pdf and it will show us a preview, which is very useful. So I'll just tell us some things we can do how we can add files and photos and sink them to our Mac or PC. Also, how we can essentially access them from anywhere, which is what we mentioned earlier and sharing them that we're going to cover all of this anyway. But thanks, Dr. Thanks for showing us what we can do. That's great. Very helpful. Now, just over here on the rice, I'll just click off this file here. Over here, on the right. We've got the support icon with the gear icon for settings. We've got our Google account, which is signed in. So at the moment, your you don't have a photo unless you upload one. But I have learned drive with Kevin here at the moment. Then underneath here, we've got our info tap, So this is very useful. If you're selecting on a file, it would show you some details about the fire you've selected on. Now what we can do is we can hide that, and then we have the layout or the list view. So at the moment, we're using the grid view. But if I click list view, it will list it in a different way like this, and I can then go back to crude few, which would make it easier. Now we only have one fight at the moment, so it's not a big deal. But later, when you have, you know, 20 5,101,000 files, this may be useful to lay them out in a grid or list view. Okay, just to finish off this video on the right hand, seers aside here, we've got our side panel. We can hide us just down here and show it, and it just has some handy shortcuts to our Google calendar. Google keep, which I also have a course on. You can go to my profile and check up how to use keep. It's a very, very useful note taking to on. I have a full course on that if you're interested in checking that ups, and then we also have tasks as well. So this is not 100% necessary for Google drive toe work, but it is very cool if you want to get to know how Teoh jump into those services faster without without having to do a Google search for them Now, just for the moment at Hovered on here and hide the side panel, so okay, That's essentially the Google drive interface. What we'll do in the next video is we will create a file together and see what that looks like and how to store that file. Okay, so I see you will to you in the next video, so see that? 5. Creating & Uploading Files: Hey there and welcome back. So on this video, what we're gonna do is we're going to create a file. Now, what we mean by creating a file is adding something to our Google drive for this instance we're going to create, Let's say, a Google doc now, to do so, you can hover over to the left hand side of your screen and select new just up here in the top left. Now, when you select that it has the option off creating new folder uploading a file or creating a dark. Now, just to start off with, let's create a folder, let's give the folder in name. So what we will do is call it test folder, okay? And create No, Look at this. When I was just for a 2nd 1 I'm gonna do is hover over this blue buyer here. Just selected the X here on the very right inside to get that out of the way. Cool. So what we have here is under my drive. We have some folders under the folders. Caption here and fathers under the fires. Caption here. Now I've created a folder called Test Folder and they will appear on the top of the screen just for the sake. Off an example, let's create another folder called Test folder to guess where this is going to go. That's correct under the folders icon here. So it will essentially make a big, long list of all your folders here and then begin a new role or folders. Okay, so that's essentially how you create a folder. If you want to enter it, you just double click it like that. And then you couldn't put your files inside the folder. If you want to go back, you can hover over my drive here or my drive here and click on that, too. Now let's create or let's upload a file. Okay, so we can click on file upload here, and essentially, we have an option off what to look for Now. I'll tell you what. I have a fight here somewhere. Let's see the sheep in here. Let's click on this file uploading files down here in the bottom, right inside and uploaded. And here we go. Now this appears under my files, and it's just a small posted it says caution. Drive slowly their sheep on the road. So there you go. So that's how you upload a file. Now the same works it would folder uploads. But essentially all you do is select on the folder you would like to upload, and then it will upload everything inside that folder. Also, when you upload the folder, it will appear up here on their folders. Now, we can also then use Google Drive to create a Google doc sheet or slide. So let's create a Google doc together by clicking on the Google doc option. Now, if you're new to this, this is what Google docks Looks like. It's essentially Microsoft Word. But the Google version and you can create documents on the web and then come back to them and working them later again. So create a test document. I'm just gonna write down any sentence here at all and then just told, just type it loads of random stuff here. Okay, so this is my document and open top left inside. We can actually give it a name. I'm gonna say, Yeah, just it's gonna basically auto. Give itself a name saying created test document. As you can see, it appears under my drive. Now we created a document we won't jump into Google docks too much. Um, essentially, this is very like, word where you can, um, do you know, have all of your text options up here? You could highlight a section and bold ID. You could make a list section, all of that kind of stuff. It's very, very, very like Microsoft Word. And then you have your file Europe edits and few windows just like it basically customize your document. But we won't go into Google docks too much. Okay, this course is focused on Dr and for Dr Per Firm Primary. So we I may be creating course in the future on Google docks. So do keep an eye out for that. But I would advise, jump into Google docks and just create random stuff. That's the best way to learn. Now I'm just gonna go to the tab here on the top, left again and go back to my drive. Now, as you can see, the quits after appearing under our fans option our Google doc. So it's stored here in Google drive. So this is the document here on the top, right? I'll kick on that type again, and where we are looking for the location of that file is here. It's under defiance in your Google drive. Now what you can also do is you can to grab one of these finds. Let's grab this sheep fine, and you can drag it into any of your folders. So let's just drop it into test folder and down here it says, your sheep. PNG has been moved from my drive, the test folder. So let's get contest Holder. And there it is so very, very, very similar to what would be your local fire. The structure, you know. So you have my drive test folder, and then you're fine. Now, just to go extra crazy, you can right click on the screen, and it will also give you the same options as the new button up here. Now that will definitely work when you use Google Chrome. If you're using a different browser, you may not get the options using the right click, so just advise you of that. The best option, otherwise, would be to create a new let's create a new folder again, a test folder inside Test folder and create. So now we have a folder inside folder and As you can see, you can see the path appear of where it goes. So you have my drive, the test folder and then the test folder inside the test folder and so on. If I go back to our test folder, we have our find here. And if we go back to my drive, we have her home screen so very, very cool, very straightforward. And essentially you condemn do the very same with Google Sheets by selecting CYA kind of jumped you have quickly by selecting new and clicking on Google Sheet, it would open a new spreadsheet for you. Now this is Google's version of Excel. So here we are, a big Excel sheet on the top left. We can also give it a name. Just call it test sheet well, and then click offered to save us. So there we go. Now, if I go back to our Google drive on these other tap, we will see the test sheet appear here. So very, very cool. Very straightforward. But this is just the way it works. This is the structure just to create a file and where it is saved, always saved in your Google drive and you're my drive, then it the pains. If you are inside a folder and select new, it will create the files in that folder. Also. Okey doke. So that's all we need to know really about creating files. You could upload files and folders, create files, all of that sort of stuff. Now, under next video, What we're gonna do is we're going to talk about actions that we can take on these files and folders and how we can, you know, move them around and stare them in trash from etcetera. So I look forward to seeing you then and bye for now. 6. Drive File Actions : hi there, and welcome back. So what we're going to do now is let's say we're going to highlight our text or test sheet . Ah, file here so we will carry out some actions on this file. So let's have a look at the different things we can do. If you right click on the file, you have a few options here. You have preview, which means you just open it up without opening of really? You know, you kind of have a quick preview of the file without really looking into it. Now, this was an empty Google sheets file, So this is not really going to show ending on the preview. If I exit this, which you could do by clicking on this arrow over here. And let's say we go to our Google doc and previewed that instead we will get a preview off the document that we made earlier, you know, So after preview, you can also see have open with so you can say right, I want to open it, but with Google docks, so that means we can go back and edit the file again. Now you can do that also by double clicking on the file. Now when we right click again, we have share, which we will look into in the next video. We also have getting terrible link, which we can look at in her next video also, but we also have the option to move to. So if we select, do move to and click on that, it'll ask us where in our drive do we want to move this file now? It'll give us some examples of folders and where we can go. So if I click on their cell, etc. Double click on that. It'll go to what's inside that folder. Like the folders we created earlier at Lord's gives the option to create a new folder inside that folder. So, uh, new folder and then we can move it there. Now it's gone. Booth. It's disappeared. But if we go to Test Holder, there's the new folder we just created. And if we go inside there, there's a Google doc. Okay, now let's right click on that and move that back to our desktop. We can do so by clicking on the arrows here in the top left to go back, back, back. And when we see my drive in the top. We can say Move here and it's moved back again. So it's very useful and there it is, back in our home screen Now. After that, we can stare our document. So let's click on that there. And it says one file has been added to our started ones. So this is this means that say, we want to prioritize this file. What we can do on the left inside to view all of the stared files and documents is click under stared part of our menu here and there we go. As this file is start, it will appear here now. It doesn't move there. This is just a filter, really. It just filters down. What documents have bean stared rather than moving them? It's not exactly a folder. It just shows our prioritize starred documents. Now, if we right click, we can also see some more information. Like rename. We can rename the document, likely cancel their. What we can also do is we can view details and our details would appear on the right hand side of the screen. We could also view details by hovering over this I for information and open and close the details of the highlight of document. Now the details show us. Do you know what type of file it is the size, all of that kind of stuff, The location where the file is located and storage now they're very, very cool. Ting about Google docks is even though you store them in your Google drive, they don't count towards your full 15 gigabytes of storage. Anything made by Google docks, Google sheets and Google slides are all think for free. They're included. Absolutely. Freeze parrott of your storage so you could create as many Google Doc since the sheets and slides you'd like and they won't count towards your 15 gigabytes. So it's very, very useful if you want to start creating all the files here instead. Now, when we right click on our file again, we can also report abuse, which we won't do in this scenario. But this is very useful. If if let's say someone shared file with you and you didn't know what it waas, you can report it. You could make a copy on what will do. Theirs will just click, make a copy and what will happen. It will create a copy. So we have our original created test document. And now we have a copy off created test document. You know, we have to independence to individual, um, Google dogs here. Now, when we right click, we'll also have the option to download and remove. Now, if we select download, it will actually convert to file the word it will create an office word document for us, which is very cool. And what you can also do here is click remove. So if you want to trash it, it's put into our trash here. Now it's gone from our drive and into our trash. If you want to recover it, you right. Click on the item in your trash and you click the store, which means it will go back to where you deleted it from, or you can select delete forever. Now I'm gonna select elite forever. It says one file is about to be permanently, permanently to leaders to need forever. Let's say you're collaborating on a project together. Sharing funds is the quickest easiest, that handiest way to make sure everyone has access to the information they need. So that's just jump right in. Let's say we want to share this Google Doc, here we have this test document. Okay, so if we click on it on the top right here, we will see some options. We can click share to content and create a share. A blink now to start off. What we'll do is we will cover over the icon of this little person here with the plus symbol and click that. Okay, now what? This will leave us too, is we can enter the email address off the other Google user that we would like access this Fine. Now I'm just going to see I don't have any other account at the moment. But the best way for you to test this would be have another Google account and share this file with that Gmail account, OK, and when you enter it here, you would be able to save and click done. What I'll do is I'll type in my main Gmail account. Okay, so this is my demon account that I normally use and what I can do is I can click. I can essentially ad domain by typing in the name here, and you can give them certain that's a rights to define. I can say right. Whoever I add can edit to Google, Doc, I can say, Oh, maybe they can only comment so they can't change it. But they can add comments or let's say they can to any of those they can only view to file . Now, what's very cool about this is when you highlight the file on the right side of the screen , where we look at the details of the document, you'll actually see a little icon for me. Now you'll see the creed, the account to be created together, and the little line here divides the people who can access it from the owner of the account or from the from the document. So very, very cool. That's how you share files with other people on Google Drive. Now it works the very same eyes sharing a sheet or PdF except her. Select that again, and I can turn it on. And this is the link. Did I just selected there? You know, it's just disappearing for me so you can highlight that sugar. Let's just try it from this side. So there you go it highlights the link, and you can select copy would command, see or control. See if using windows or you can right click here and click copy, too. And that means if you paste the link into a your El bar, it should go straight to the pdf that we shared very cool. So that means anyone else can access this link by using the euro, and they can follow these actions here. So that's a very useful option. If you're sharing with someone who doesn't have, let's say, um, uh, access to Google Drive or just once he viewer file. And also you can see your under settings that it is appearing with the link. Drive Advanced Settings: Hey there. Welcome back on this video. We're going to have a look at Google Drive settings, OK, and see what we can configure inside there. So to get to decide things, hover over to Gear icon in the top right here and select settings? No, you will be prompted with a list of settings and sometimes on the left. Okay, so at the very top were given storage and the total storage we have and what we're using, we actually view the items taking up the storage, which is listing them here. Now, unfortunately, that takes us out of our setting stop. So we have to just go back in and you can also Baltimore storage. So if you are hitting your 15 gigabytes maximum, there are options to then purchase some additional storage. The 1st 15 gigabytes is free, but anything after that you will have to pay for unfortunately, so it's a good idea to keep it under 15 gigabytes if possible. What you can do also is you can convert uploaded files to Google Docks editor format so you can upload, let's say, ah, Google or Microsoft Word document, and this will automatically convert it. Do the docks format so you can have that owner off. It's not a bad idea to have that off and then determine if you want to convert the files. You know each time you upload, so it's up to yourself. Ready now. We also have language settings here. We have offline mode, which means we can create, open and edit your recent Google darks sheets or slides on this device when it's offline. And, um, that will leave us work and continue on some documents. Even though we don't have Internet connection. Then when you resume WiFi or Internet connection again, it will update defies on the cloud whatever changes you made. In the meantime, it's very, very, very useful. Nakul. Now it will add the offline extension to chrome, so you will need to use Google Chrome to use this feature. Okay, so it's very, very useful. You'll find when we have lots of files here in our drive here and we start having lots and lots of files. That's a hundreds of files. Um, we will be given the option above the folders icon here of quick access to say, Hey, this is a file you're working on recently. Would you like to jump back into this file again now? Currently It's not showing us anything good because we have such little fires here. But it's very, very useful as time goes on, so you can have that check mark to now or turn it off later. Now that's our general settings. In our notifications tab, we can get updates about Dr Items in your browser for notifications, and you can also get all updates about Google drive item for your email so it's completely up to yourself and how you want to do that again. I would start using Google, drive a lot more, get a lot more items and do collaboration with some colleagues or friends or whatever. You might never need this, but this is something that it is good to be aware that it exists in case you need to use it , and then you can go to manage APS. So here's some Google maps that are installed that work with your, uh, Google drive. Okay, so as you can see, we have our forms or sheets. Are sites the slides, all that kind of stuff? Now it's of extra ones here. Google hurt Google's my maps. I'd be creating some courses on many of thes as time goes on, but basically you can create files and items using these services and store them in your drive they can allow. Which one do you like to use and which ones you don't want to use, which are Dr. But most of the time you will be looking at Google docks here, Dan Google sheets, Google slides and maybe Google forms. Also, I believe, was just a bit higher, you know, they're really good reforms. Okay, so you it's probably spend most of your time on the General tab here configuring these settings. Drive Storage and File Types: Hi there, and welcome back. So just on this video, we're going to quickly jump into storage. As we mentioned before, you have 15 gigabytes for your entire Google account. Okay, Um and that is spit between your gmail. Your drive, etcetera. Like all the places where you could be storing items on your Google account. Now, if you ever hit the 15 gigabyte maximum, you can click by storage here. What What that will do is it would bring you to Google. Want for more storage? So essentially upgrading from Google drive to all these different types of plans here. So a lot of these could be used. Let's say if you have a lot of photo albums at home that you want upload, um, if you just do a lot of personal work and projects or let's say you work in a team and you really, really want to use this for your own, you know, storage and backup, you can go from recommended. Here are 100 gigabytes to 200 gigabytes to two terabytes. So it starts from 1 99 notices in euros for me. So your results might be in U. S. Pounds or are sorry, us daughters or, um, starting pounds 30 and in detail. It will show you what you get as well. So as you can see, you have a lot more options. It was 10 to 20 to 30 terabytes, which is quite large. 300 euros a month, which would be quite a lot of storage. Um, so as you can see, it gives you MAWR details here tells me what you're using. But it's just saying zero, and it says Google Drive is having zero G minus 70 and photos are having zero as well. So if you start hitting it, you have some more options here to increase your storage. Going back to a Google drive. There's a very handy article here, old So I've just opened up before I started recording this video, and it's in the Google Drive Help center, okay, and it is called files you can store in Google drive. So if you're wondering what kind of files. Can I storing who drive? You know what specific files specific file types Can I store under here supported file types. You can have a big longest here of all the different types you want. So our coat fires, audio formats, J peg files. You know, PNG. Give all these image files tax violence, videophiles all these video formats. It shows you basically even the Microsoft Files. What kind of Microsoft fires and adobe fire to concern. Also so very useful here. If you ever get an ever when you're trying to upload a file to back up and it's saying sorry, error not allowed have a look here and see if it is a lundy supported list. OK, so these are the most common file types you can preview in Google Drive. But any file type could be stored. So even though it might not appear in this list, you might not be able to preview it and Google drive. Okay. It's just a handy list to be aware of, really. And also when it comes to file sizes, so file sizes can be quite large, as you can see. Okay, so that's everything we really need to know about storage and file types on our next video . We're just going to look into viewing the past history on files and what we can see from there. Okay, so I'll see you then. 10. Recent Activity on Drive: hi there and welcome back. So on this video, we're going to look into file activity and previous versions and that kind of thing with files on Google Drive. Now, just as we start this video, you can see the quick access has appeared for me. See, I refresh the page, and what happened is Google is now saying, Hey, here's the quick access here some files that you've worked on very recently and if you want to continue working on them, you can do so by clicking here now. It doesn't make much of a difference because we have our funds here also. But later, when you're when you have, let's say, hundreds or thousands of files, this quick access tab up here, it could be very handy. Now remember, if we go to settings, we can go to the suggestions and disabled that and look in the background. It's gone so you can turn it on and turn it off. So if you think it's distracting, we can turn it off and click done, and we don't have to worry about it anymore, and you can enable it again in the settings now to view previous activity on a file. We click on the file and we hover over the information icon to view details like on Appear on the top right and on this list. Here we have details with two tabs, details and activity. So under activity we can see specific events related to each file. So it says at Treater Tea Tree PM, We created this file at 3 47 We shared this fund. Remember? I shared it with myself when we talked about sharing settings earlier. Essentially, if you were making hundreds and hundreds of changes to the file, it would appear here. Let's see if we go into our test folder and click on the sheep. Let's kick on this. Make sure it's highlighted and look at the activity. It shows things like you uploaded the file at this time, and I moved the item to test folder. At this time, it leaving. Tell us details about moving the item. So what we're going to do now is we're going to upload a Microsoft Word file to our Google drive and we'll see what happens. Okay, so I'm going to select new file upload now in my downloads area. I should have a Microsoft doc file here that says test Microsoft Word Doc. And it's in the Microsoft word format. OK, so I'm gonna collect selected that and, um, like, open. So it's uploading our Microsoft Word, doc. And as you can see, we have the big W for Microsoft Word. So this is Google's way off saying, Hey, this is a word document. Now it's different sooner than our Google doc, which is this, like on This is our word, Doc. So here we are now storing a doc file. Now let's try and open that fire, okay with double click it and it will preview to file for us first because it's not a Google doc, so it's going to show us the preview. So this document, all it says, is Microsoft's word. It just has some numbers and stuff. But the most important thing here is the extension dot toc X now If we select here open with Google Docks, it would open the document in a new tab on Google Docks for us. But it'll open it as a word. File a Microsoft Word file. So the way we can see that is when you go to the top right here, you'll have the title, and it would actually highlight a Microsoft Word format. It's saying, Hey, I have no problem editing this file, but you're editing nous in a Microsoft Word format. OK, so it's a Microsoft word file you're still using. Now if we want to convert it out to a Google doc so we can keep it on on Under dr and Editors. As we go, we can go to fire and select safe as Google Doc. So let's select that. So when we click this, it's now opening the file, and it's not showing the word format anymore. So if we go back here, this is showing Doc toc X. But it's after creating a brand new file. It looks exactly the same, but there's no sign off the dock D o. C showing up there. Now if we go to the my drive and click out of this, we now have two files. One of them is the test Microsoft Word doc with dot docs X saying that this is a Microsoft Word extension. And then we have this brand new one that we've created, which is a Google doc. And we can tell that because the icons are different W forward and this, like on for Doc. So what we could do now is we could keep this. Let's say, you know, maybe put it in a folder and keep it safe and continue editing to Google doc version. That way, we're not messing around with a Microsoft word file or anything like that. We've now converted it into a Google document now, saying that we can also do the opposite way. So I'm just gonna close a few times up here. I'm actually gonna close all of these times. We don't need these anymore. And I'm going to open up this Google doc when I double click Is it'll open the Google dark immediately in Google docks? Now let's say this is a big formatted file and you've done lots of work on us and it's ready to go and you know how to use Google darks and and you've typed up a lot of stuff and you're ready to download it. The thing is, you can't download a Google doc file as a doc file. No, no program would read a Google doc file. Only Google Docks would read a good good doc file, so it may be a good idea to download it as a word file. So at least Google were our Microsoft word can read it, you know. So to download this file as a Microsoft Word file, we go over to file, we hover over, download and look at all these options it gives us we condone. Know this sheet as a Microsoft Word file a pdf file, a plain text file, an open text, open document format All these options here now, if we say download as Microsoft Word, tell us, where do we want to save us? Let's say I want to save it to my downloads. I'm going to say new M s and click safe and see right here new m s dot toc. It's actually downloaded our Google doc as a word file again. So we've what we've done is we've uploaded a word file converted it to a Google doc, and then we can actually convert that Google doc back to a word file if you want to, and we can keep copies of each of them along the way. So even though we've downloaded that as a word file, we still have our Google doctor. We can continue to work on so we can make so many edits. We can continue to make changes, add things, take weightings and then just go to download again. So that way we don't have to jump into the program and openers and close it. We can just do all of that from Google docks Now. You can also create a PdF format, which is very useful also, so you can download as pdf and tell you where do you want to go? All right on PdF and you click safe, and it downloads your file as a PdF, which is also very, very useful. So to do that one more time, I'll just close this tab. You'd click on your Google doc, so let's go to this one. This time, click on our Google doc would open us. When it's open, we go to fire pick on fire and then go to download and you have your options here and there , Eagle. So that's everything you need to know about converting them back and forth. Download & Install Back up And Sync Tool: hi there, and welcome back. So what we're gonna do now is we're going to download the Google Drive backup and sync tool . Okay, so this tool will allow you to synchronize files on your Google drive to a folder on your computer. It would also allow you to synchronize a folder on your computer. Which files on your drive, or would folders on your drive So it's very, very cool, so we'll jump right in. The first step we're gonna do is download is at download it and install it together, her tongue twisting myself today. So what we'll do is cover over this gear icon, appear on the top, right, and we will select, get drive for desktop. Okay, so, um, I'm using a Mac machine myself. So if you're using Windows, it will just be slightly different the installation process. But it's just like installing any other software on your computer. If you're on Windows, you'll download and dot e x e file. You'll double click that, and it will begin the installation process, so I'm going to follow the Mac process. Eso basically we'll both end up in the same place after insulting to software because it looks the exact same on both machines. So when you're on the screen, we need to select the download option on their personal. So it's select download here, and it will tell me, Hey, you're gonna download this tool for Mac and I'm like, Yeah, that's cool. No problem. So I'm going to agree and download, so it's just gonna begin downloading it for me. It's gonna go to my download folders, I'm going to click, Save. And as you can see down here, it's downloading and just finishing up. Now I don't little one earlier, just as a test. So I technically have to showing up on my list, but you'd only need one of them. So what I can do here is select on the item, and it's going to begin opening us now on my Mac. It's a dot DMG file on your windows. It will be a dotty XY if it doesn't begin installing immediately, go to your downloads folder where you downloaded this file and double click the detail. Sorry the dot e x e vile to begin the installation. Now I have two screens here, so it's after popping up on the other screen, so I'll bring this over here on Mac. It's requiring you to put the the the backup and sync tool into the application's folder, which I will do, and it's gonna copy it into the folder for me. So it's just gonna take a few seconds now. You might not need to do this at all the windows, So if you don't just continue your installation process and Windows and you might end up coming to the same screen, that outcome to momentarily and when I open up applications, just go to backup and sync, which is here. I'm gonna open program by double clicking. Yes, I want to open it says it's from the Web. Are you sure it's gonna minimize that? Minimize this and it should open up momentarily now. It opened on my other screen again, s so I'm just gonna drag this over here again. And this is what you'll see. Welcome to backup and sync. So if you're on your windows machine will boat arrived to the same place here, you can say getting started or get started. Now it's going to require a still log in. Okay, so this is where you will use the email address that you used to sign up for Google. So I'm just gonna pop back to my drive here and show you if you hover over the icon, appear it would be the email address under your name Here your gmail dot com address. I think the most important thing is synchronizing dry files to your computer. But just for an example, I'm gonna choose a different folder to sync to Google Drive. I'm going to select to choose folder. I want to go to my desktop and I have one here from before test drive article. So I'm telling the tool, just going to continue their I'm contending the tool. Hey, I want to sink this folder with Google Drive and it's ST Okay. Cool. No problem. That sounds good. Now, if you're uploading photos, you can upload them to the original quality and it will go towards your storage. Now let me just minimize this window for a second. So I have nothing in the background, and one you could do is click on this logo right here and it will open up the folder on your computer. Excuse me. Where you have your document saved. So on here, it's coming up on the left as Google Drive. And here's the folder containing all of the files that are on Michael Drive. Very cool. So that's how you get set up with the backup and sync to and on the next video. We're just going to go into some things that we can do using this tool. Eso I look forward to seeing you then. 13. Using Back up And Sync Tool: hi there, and welcome back. So in this video, we're going to look at the settings and how to use backup and sync tool. Okay, So by Google drive. So on our last video, we downloaded the south where we installed it, and we signed in and got it set up. So this time, what we're going to do is we're going to just look at what we can, you know, configure locally. So if you want to look into your Google drive on your local machine, you can go to the icon. Where has a little cloud with the upload? Okay, I can. Now you might see this icon on Windows on the bottom right inside. When you click on that, you'll see a little menu will appear, and it will show you some of the most recently synchronized files from Google Drive to your local computer. Now, if you want to open up the folder on your local computer that has sink version of all of these, you can select this, like on here. It's a little folder icon with the drive logo in us, and it says open Google Drive folder. So if we select this, it's created a folder on our machine, and it's taken a copy of each off the docks and files and everything on our Google drive and put it in this folder. So currently I have a folder here. I have some sheets and docks, but there I'm just, like essentially like a ghost. Copy off what is on the drive online. Okay, so if I go into my test folder, I should have a photo in here. The J Peg photo. So it's down ordered a copy of that photo here so I can access it locally as well as on Google Drive. Now let's look at some things. OK, let's say I want to rename this file. I want it. It's called a sheep on road 1102 for whatever. Let's just call this yellow sheep. Okay, so what it's doing there? As you can see, there's a little logo over a test folder. It's a little refresh, and it's just after going green. What that was doing, was it? No, it's There was changes inside this folder and it said, OK, I need to synchronize this. I need to synchronize this and tell the cloud that I'm after changing the name. So when I go to Google Drive, it will know the difference. Now, that's one way to check that. Let's just open up our drive. So are back here in Google Drive on the Web. If we go to test folder, let's see if the name changed. There we go. Yellow sheep that P and G. So the name I changed on my computer uploaded to the Web and updated us in Michael Drive. If I even click on this fire here and go to the activity on the right, you'll see that I rename this and it will show the action of taken on my computer. Very cool, isn't it? Now, if I was to delete this here, let's say I want to move it to trash on Google Drive. So I'm doing I'm making changes to the cloud now. So if I moved this to my trash on the cloud Okay, let's see what happens in our folder here. Guess what. You open up your tests, Holder. Where's it gone? It has disappeared. It's being deleted. So the file has now disappeared on my local folder because this little tool is running in the background every time it no notices a change. It updates your local folder as well as your Google drive online. Now let's say I want to resume or restore that item to bring it back. Um, I can restore from trash by clicking on it and hovering over this icon here, and that way it will put it back to wear. It originally belonged here. Now let's close this browser window again on its back there again. So the cloud told the software the backup and sync tool. Hey, it's after coming back from the dead. It's in the trash it out of the trash folder back into the correct folder. Can you update this on your computer, please? And then the commuter says, No problem. And it's back here for me. Very, very cool, isn't it? Now what if I wanted to lead to delete a file on my local computer? Let's see. I didn't want to leave it on the cloud. I wanted to put it into trash from my folder on my computer. So let's see what happens now, right? It's look at this little free, fresh icon. It's synchronizing with web. It's saying okay of know if there's a change locally and it's something's happening. Rice. You know there's a fight here that wasn't here before. I need to tell the Web. I need to tell Google. Drive on the cloud that that file is after disappearing. So it's synchronizing and it's synchronizing. Okay, so sometimes it might just take a little bit longer to tell the Web that we're doing something different like this. Let's check if there's any changes on the Web. Gone, isn't it? That's going to our test folder. Look, it's not even there anymore. So we've deleted the file locally. And even though it's still sinking, it's just confirming 100%. It's already told the Web that it's gone. Even here, it says, the yellow sheep has been deleted just now. Now what if I went into my trash here and I see just put it back into the folder? You know, she Okay, let's see what happens now. It's synchronizing. It's updated and let's go to a Google drive, and there it is again. So it's always communicating back and forth okay, which is very, very, very cool and useful for us now. You might run into some issues when trying to open a dark file or a Google sheet filed, you cannot open them locally. So if you were to double click on this link here, it would open us in your browser window because you cannot edit them offline or like I went out to use of a browser. Okay, so as you can see, this is a great way to, let's say, update, move files locally. You know, maybe for my downloads into this without me needing to open Google Drive and click the upload button. All of that. It means it's quicker for me to work between my folders on my computer, then doing that, you know, then opening the Web browser. Now, if we hover over the icon, appear, let's just have a quick look at the settings. For example, it says how much file space we've used. We could upgrade the space and buy more storage. It was last updated one minutes ago. This the shortcut toothy folder that we just have right here. This opens up Google Drive on the Web, and it's opens Google photos. If you need to use it Now, if we over over the three dots here, it'll give us some information. We can pause the synchronization, weaken, say, Hey, stop sinking for a while. I'm going to do some things and I don't want you to be sinking because maybe it's using up a lot of ah band with. Maybe there's a big upload and download, and I just don't want to do it right now. I've got other things to do. We can pause it, and then we can also resume. You can add many Gmail accounts, so you can. Actually, if you have that's a to arm or Gmail accounts, you can add different Google Drive accounts here. Okay, now, if you go to preferences, this is where you will make some changes to your initial configuration. So it's telling us here that we have a local folder called Test Drive sinking to the website on. We did that, actually, at the beginning, so it's saying, right, this is the folders on your computer that sinking, you know, to the website. Apart from your Google drive, this is some of your personal stuff that you're sinking and storing online, and let's actually see where that's going, okay? You you notice the difference here, so we have a folder called Test Drive on My Desktop that sinking If we go to Google Drive, notice this. Look at this computers. This was never here before. This appears when you have a folder on a local computer or a laptop or something. That's not Google Drive sinking with Google Drive. So it's telling me I have a folder on my Mac book pro called Test Drive that I'm thinking really cool. So that would actually disappear if I own sink that folder. So let's go back here and uncheck that and click OK. Content from this folder would remain on this computer and in Google Drive. So it's saying anything that has sink to that folder by now. I will stay there, but otherwise, um, it will continue to sink. So if I click continue, we have to remove it manually here. But if I add it back in, it'll sink it up again. Another option here we have is if you're removing items on the computer or locally, it can actually ask you to always remove both copies, never removed Bo copies or ask you before removing both copies. Very useful tool there. Also, if you go to Google Drive were tending Google Drive to sink everything to our local folder . And then there's some further settings where you can sign out. If you just don't want to use this to it anymore, you can go to settings and disconnect your account. Okay, so what I can actually do here, just for the sake of showing you is on select disconnect account irritate. Hey, two files. Whatever went from your Google drive to your local computer will stay there. But anything after this won't work. Select, disconnect and then just take a second. It'll be like, OK, I'm removing and then say OK, you've been disconnected. So if I hover over the icon, appear telling me to sign in cause I've completely severed the connection. So very, very cool. If you want to quit the tool altogether, you can go appear. Click on that and say, Quit backup and sync, and it's the same on your windows. You'll have slightly varied options on your Windows machine, but it's pretty much works on the exact same basis, so I'm just gonna quick guys select quit now. In an ideal world, I would keep that going forever. It's a very, very useful tool. I just wanted to show you how to disconnect it. Okay? And if you quit the tool and you disconnected it, the way to kick that off again would be to go to your applications folder or on your Windows machine, go to your programs, find the program again and double click. It's kicking off when you double click it. It'll just take a moment. And as you can see, it's up there again. Tell me to sign back up and get started. So that's everything, really. You need to know about backup and sync. It's a great, great way to synchronize your files from Google. Drive to a local computer and folders from your local computer to your Google drive. So I hope that was really insightful.
