1. What ChatGPT Can Do for You: Imagine having your very own
personal productivity coach on call 247. No appointments needed. I'm going to show you how to
do just that by leveraging hat GPT to become your
personal productivity coach. I am beyond excited to do this because we are not robots yet. So this is the
second best thing. Hi. I'm Ramina,
and as someone who has used a ton of
productivity tools, I've found that
using chat GBT is unique because it is
always available, and it adapts to my personal needs and soon
your personal needs as well. Throughout this course,
we're going to be working together to turn hat GBT into your own productivity coach that is going to help
you plan your day, stay focused, and
boost your efficiency. I know. Sounds amazing. Whether you need help
organizing tasks, setting priorities or even finding a little
extra motivation, then hat GBT is here for that. For this course, you'll need
to have a little bit of basic knowledge of what
hat GPT is already have it installed or running
on your browser and have an account so that
we can jump right into turning it into
a productivity coach. When you're ready,
join me over in the next lesson where we
are going to get started setting up hat GPT
to make it work best for you and your unique goals and
productivity style.
2. Setting the Foundation: Best of your productivity coach, let's do a quick
little self audit. This is going to help
you to clarify what you need and make the next steps
with hat GPT a lot simpler. Get a pen and paper
or get a doc open, and we're just going to answer some quick questions so
that we're really clear on what it is that you want
to get out of hat GBT. Number one, we're going
to identify key goals. So first, clarify what your top three to
five goals are or what projects you are
currently working on or want to work on and
grow and improve on. Make a note of any deadlines or any reasons that
these goals matter. It's very important that you are specific with what it is
that you are working on. For example, you want to
fill in the blanks here. My main goals are to then you list
whatever your goals are. So for example, mine would be complete four online courses this month or establish
a writing habit, a daily writing habit or finish the illustration for
my children's book before the end of
the month, right? So be as specific as possible and list only
maybe like three to five because you don't want to
overwhelm hat GBT with all of the options that are available because that in turn is
going to overwhelm you. So let's keep it as
simple as possible but as specific as
possible as possible. Next, you're going to want
to map out your typical day. You'll want to outline what
your daily routines are, make a note of when you
are most focused and spot any patterns that have
to do with energy or when you are least
distracted or most distracted, when you have the
most interruptions. It's important to know
where you are at right now. So for me, I know
that around 3:00 P.M. I start to lose a
little bit of energy. So I want to make sure that I prioritize anything that is important to me that aligns
with my big picture goals. I want to make sure that
I do those before two, three, 4:00 P.M. Because
after that time, I start to lose a little
bit of brainpower, and I want to make
sure that I do my best work because
that's what's going to move forward,
my goals forward. For example, here's a fill
in the blank for you. A typical day for me looks like and then
describe your tasks, any peak productivity hours, anything that you
think is important within this category. Like, for example,
if you have dinner every day with your
family or your partner, then that is something
that you want to put in there because
that is going to help hat GBT create the
efficient schedule for you, while also taking into consideration some of the
routines and the habits that you have and where your
energy levels are currently. Next, identify any
productivity challenges. Because, of course, if we're using something like Chat GBT, then I'm imagining that you want some kind
of improvement. You want to change
something and you want to become more efficient and you want your schedule to be effective and to help you
to accomplish your goals. So it's important to identify
what are the obstacles? What are the things that
are getting in the way of you being efficient every day. You're going to
list any habits or distractions that are
disrupting your focus. So, for example, if you
notice that after work, if you have kids or
if you have pets or something and they
are interrupting you, then these are things
that you want to take into consideration when
you make your list. Sider where you tend to
procrastinate or lose motivation? Like, do you want to
have a workout schedule, and are you having a little bit of trouble staying motivated? Or is there a project
that you're working on? Like, maybe you are working
on a book or a business idea, and you find yourself
procrastinating to do the task that you need to do in order to move forward with those
projects and those dreams. So make a note of
all of those things. So here's your
fill in the blank. My challenges are, and then
some examples for that is procrastinating on long projects or getting distracted
by social media. So consider what are the
things that are what are the challenges for you and then filling that blank
with your challenges. Lastly, define any task
management preferences. Remember, this has to
be tailored to you. We are tailoring this
productivity coach for you. So whatever is whatever my preferences are might not be the same
preferences for you. So it's important to be clear
on what those things are. So for example, describe what your ideal work
session length is. For me, I know that I can do really deep
work for 4 hours, but I can't do I can't do
four consecutive hours. It's important for me
to take a little bit of at least like 3 minutes
of a break in between, like, maybe every 30 minutes, every 45 minutes or every hour. I know what my brain needs in order to reach
that peak performance. So identify what
that is for you. And maybe incorporate that into your list of preferences,
task organization. Are there any apps that
you use specifically? Like, do you prefer
having Kanban boards? Like, are you on Trello? Do you have a physical agenda? What are the things that
you currently prefer doing? Because it's important that
ChatGPT knows what you like to do and how you like to organize your life and
how you like to work, and what best equips you to do deep work and reach that peak performance
because that way, Chat GBT is going to help
you formulate a schedule and a task list that is going to
align with your preferences. So note how you prefer to
have your tasks organized. Like, do you do it by
priority or do you rather have smaller lists that
are more manageable. Do you like having
a huge long list that you just roll over
into the next day? Here is an example of what
that might look like. I like working in
90 minute blocks with priority based task lists
and weekly reviews, right? So fill in the blinks with
what that looks like for you. So after this audit, you'll have a clear view
of what your goals are, what your current routines are, maybe what you want
your routines to look like, and your needs. And hopefully by the
end of this lesson, you will have a few prompts
that we are going to send to Chat GPT to make it a more effective productivity
coach for you. All right, let's go over to the next lesson where
we are going to dive into actually defining
Chat GBT's role as your productivity coach.
3. ChatGPT as Your Productivity Coach: Now that you've completed
your self audit, the time has come to set up hat GPT as your
productivity coach. This role will focus on creating an efficient
schedule for you, breaking down any goals
that you have, your dreams, and optimizing how you work so that you can live that
robot dream life. First start off by
clearly stating the role. You'll want to say
something like, I want you to be my
productivity coach. Your job is to help me
structure my schedule, break down my goals, and identify ways to
be more efficient. But don't send this
to Chat GBT just yet. There's a few more things
that you should add. Add the prompts
you created during your audit and then proceed
with the following areas. First, we're going to start
off with the schedule. Na ask Chat GPT to create a weekly schedule based on
your most productive times, the types of goals
that you have, balancing deep work
sessions with breaks, and also taking into account
your current routine. Here's the prompt for that. Using my current daily
routine suggest ways to improve efficiency and
reduce task switching. When creating my schedule, prioritize focused hours for deep work and reserve
afternoons for routine tasks. Customize that last sentence for yourself because
it's pretty specific. If you would rather have
your mornings to be more for those routine tasks and absolutely just
switch things around. For the most part,
you want to stay as structured as possible
to this formula that we have in
this prompt to get the most effective
response from Chat GPT. Next, break down and
batch your goals. If you haven't
already broken down your goals into more
manageable tasks, then you can ask Chat GBT
to help you with that. You can give Chat
GBT your goals, and you can break them down into more actionable
tasks that you can do every day to
achieve those goals. After you've done that,
or if you already have them if you've already broken them down yourself
into manageable tasks, then you can ask Chat
GBT to consider that and to batch those tasks so that you aren't doing
as much task switching. So a prompt for that
might look like. For my main goals, break each down into
small manageable tasks. Please batch similar tasks
to minimize interruptions. Lastly, optimize for efficiency. This is the golden
egg here, right? This is what we all want. You're going to ask ChatGBT
to review your routine and provide suggestions
to streamline it to address any
specific challenges. The prompt for that
is please analyze my challenges and incorporate
tips in my schedule. Help me avoid or overcome them. Feel free to sprinkle
in any insights from your audit to make the
setup unique to you. So with all the prompts that
I gave you in this lesson, it's important to incorporate the things that
you solidified in the previous lesson
because that's how this productivity
coach is going to be personalized for you. This will help chat GPT understand exactly how you
work, how you like to work, and keep your productivity
coach focused on streamlining your
time and your workflow. Let's head over to the next
lesson and explore how we can turn hat GBT into the coach
in productivity coach.
4. The Coach in Productivity Coach: Chat GPT knows your goals, your schedule, and
your workstyle, establish a rhythm for
check ins to be able to stay on track and make
adjustments as needed. Since Chat GPT can't
remind you just yet, then you're going
to have to set up either a weekly calendar
event or an alarm or to do reminders so that you remember to keep these
check ins consistent. Now, I don't do this myself, but I wanted to present you
with this option because I do think that accountability
is help and it can be fun. And I do use Chat GBT
every once in a while for a little boost of motivation by asking it to motivate
me for the day. And it is fun. It
works, I think. And so I wanted to be able to present you with
some ways that you can create these check ins
with your productivity coach. Firstly, decide on a
check in frequency. So figure out what
works best for you and choose how often
you'd like to review. Like, do you want to check
in every day, every week, once a month, maybe the
last week of the quarter? I don't know. This is something that you
are going to have to figure out to see what works for you and what it
is that you need. And in order to do that, here is the prompt. Let's do a check in every
insert frequency to review what I accomplished and plan for the next week or
month or day, whatever. Highlight any areas where
I could improve or adjust. That last bit is important because you don't
want to just repeat the same thing that
you've been doing if there's something
that isn't working. The way that these
check ins become productive is by
analyzing what you've done and identifying what you can change to
improve in the future. That leads us to adjustments
and troubleshooting. Ask Chat GPT to suggest
tweaks if something in your workflow isn't working or if new
challenges come up, like you have a
new work schedule, things that are going to interrupt your
current productivity. You always want to keep
Chat GPT updated so that it is aware of the things
that might not be working. Through this step, hat GBT can help you make
the adjustments that you need to adapt quicker and continue being efficient. The prompt for that is
during each check in, help me spot any areas
that could be streamlined or improved based on my
progress and challenges. It's important to
mention your progress as well because it's not all
about overcoming obstacles, but also to keep doing the things that
are currently working. Speaking of things
that are working, don't forget to celebrate them. Celebrate your wins because
you want to stay motivated. And regular check ins
are a great way to acknowledge that progress and
to keep motivation flowing. If you want to add
that in, then say to GPT at each check in, let's celebrate any
wins from the week. No matter how small, this will help keep me motivated and aware
of my progress. And with that, your
reminders are set. You'll keep your productivity
coach relationship running smoothly and adaptable, making sure that you stay in sync and motivated week
after week after week. And next we'll work on refining
your productivity coach.
5. Review & Refine: You work with Chat GBT,
you might notice there are a few things that could
be tweaked or changed, and remember that the
reason that we're working with Chat GBT
instead of some other app is because of the fluidity and adaptability that
Chat GPT provides. It's important to
keep that in mind and be open to reviewing
and changing things up to stay effective
and aligned with your goals. Firstly, make adjustments
based on what works. After a few weeks, evaluate
what's helping and what isn't and let Chat GPT know if anything
needs to be modified. Something that you could say is after using our schedule
for a few weeks, I'd like to make some changes
to improve my workflow. Here are some areas
I'd like to adjust. Imagine that if you want to
set up a productivity coach and use something like hat
GBT or an AI to do this, then it is because
you have a lot of projects and
ideas and dreams. Feel free to add new goals or
priorities as they come up. If new goals or projects
come into play, then absolutely bring
them up to your coach. Something that you can say is, I have a new goal I'd
like to add to our setup. You describe the goal briefly. Could you help me break this down and fit it into
my current schedule? Next, make sure that you mention your challenges and your wins. Let Chat GBT know if
certain strategies are working well or if any new
challenges have come up. We've already covered
this briefly. You just have to let Chat GBT know when there are
changes so that it can help you to
adjust to them and continue to be efficient
and effective. This is the prompt
you can use for that. I'm finding certain
strategy really effective, but I'm struggling
with new challenge. Can you help me adapt my
schedule to address this? With these periodic reviews, you'll keep your
productivity coach setup fresh and fully aligned
with your evolving goals. Next, let's add some
finishing touches.
6. The Finishing Touches: As you step into this
new productivity flow, remember it's about finding
what truly works for you. And with hat GBT by your side, you have this flexible coach ready to adapt as
your goals evolve, helping you balance structure with anything you want to do. So here's a quick recap of everything that we
learned in this course, plus some final tips to
help keep you on track. First, you're going to
do a personal audit. You're going to create
a solid foundation for chat GPT to build on. Then you're going to
define Chat GPT's role. Set it as your
productivity coach adding the prompts
that we created. Next, you're going to set
up regular check ins. Now, remember that
this is optional. You can schedule
reminders if necessary, to help keep you on
track and motivated. And lastly, review
and refine as needed. Adjust the setup based
on what's working for you or whenever
you have new goals. Now, let's go over a few tips to make the most of your coach. Say flexible. Productivity is personal. Remember, this is a thing, and what works for you might
not work for somebody else. So be open to experiment, be willing to try new things, and change things around until one of those strategies
or methods clicks for you. Brainstorming or
problem solving. This is one of Chat
GPT's strengths. You have an incredible
tool at your fingertips. You can generate new ideas or brainstorm solutions
to problems that you have you can get feedback on challenges that
you are currently facing. This is a valuable resource. So you can use it. You can use Chat GPT as
your brainstorming, buddy, so that you can create new ideas or build
on your ideas or projects and make them even greater than you
could have imagined. And most importantly, figuring
out a way to execute on those ideas so that your goals
are actually accomplished. Lastly, again, celebrate
your progress, reflect on your accomplishments often and whether they
are big or small, staying motivated helps, even
in a subconscious level. Some days, they just
don't go as planned. Your schedule is
not going to go as Chat GPT intended for
it to that's okay. Remember, you are not a robot. Chat GBT is the AI, not you. Here's to making
your productivity journey both adaptable
and enjoyable. Congratulations on
making it to the end of this course with Chat
GBT as your coach. I hope that you are
now equipped to build a rhythm that feels natural
and supports your goals. Thanks so much for joining me. I hope that you
enjoyed this course and that you got
something out I know that having Chat GBT as my productivity coach
has helped me immensely. So I hope that you will
get the same benefits. But remember, focus on
what clicks for you. Stay open to making
adjustments and remember to celebrate
every step forward. Alright. Your path to
progress is unique. It is a personal journey. So embrace it, refine it, and enjoy each focused session.
