A bit about us: 

Ronny works at Canva as the Head of Communities and has been creating courses about Canva for over 2 years now. He runs 4 Facebook groups for Canva + his own community together with Diana. All of these are, of course, about Canva and how to become a better designer with Canva.

Diana is a Canva Brand Ambassador (a Canva Certified Creative). She creates online courses about different topics like Instagram marketing, photography, personal branding and, Canva.

 

The objective of this class is simple: we want to help you get more clients. And in order to do so, we’ll show you what an amazing impact professional-looking business proposals have on prospects, and to give you all the practical, hands-on knowledge so you can create one of your own. 

 

We’ll create a Business Proposal offering and promoting content creation services from scratch, using a template from the Canva library from our computers.

1. Introduction: What is that? Everybody? This is runny from can va welcome toe another class of ours. I'm here with Deanna and this is our living room. So welcome. This is where the course is going to unfold for you guys today we are going to learn how to create convincing business proposals. Super important topic for all of you guys who are searching for customers searching for new clients, you might have a graphic design business. You might be a virtual assistant or you might run your own business. But in any case, you need to find more clients. So having this convincing, powerful, beautiful business proposal that you will send to your potential prospects in order to find clients is super important. So this course is about this is about understanding what your business proposal should be all about and how to create them with canvas. So this is how the court is going to look like the first lecture is going to focus on four things that your business proposal should achieve. So we're going to give you what is important in our opinion, like what should you able to achieve by creating this business proposal? Then we're going to talk about the structure, the different section that you have to include absolutely in your business proposal. And then once we have or this theory behind us, like once we will understand the ins and outs off business proposals, Deanna is going to guide you. We're going to go back to Canada and design this beautiful and convincing business proposal with canvas. So, Deanna, are you ready for this? So without further ado, if you guys already if denies ready if everybody's ready, I suggest we jump into lecture one 2. 4 Crucial Things Your Business Proposal Should Accomplish: Alright, guys, let's get it started. Four things your business proposals should accomplish. That is the first thing I want to see and studying this course. Why should you even create a business proposal? Guys, why should you write professional business proposals? That's what we are going to discover in this first lecture of the course. The first reason that I believe is one of the most important is to make a positive first impression. We've talked about this earlier in other courses, but here more than ever, because you're trying to convince someone or some company toe work with you, you need to create this feeling off. Wow, who is this guy like? Like, this is amazing, like I want to know more. So in order to get this, your business proposal should basically become an experience for the prospect that is going to click on the pdf open that website. Well, whatever the four media is that you choose, that your business proposal is going to adopt needs to be an experience for the prospect. And also it needs to catch that prospects attention very early. And so the way to do that is to create that experience I have a question. Maybe I should have done it at the beginning. But I want to know in which case you should send a proposal to your client because maybe not all the times you need to create one or do it. I don't think so. I think it's good to have some sort of a proposal. I doesn't need to be the four proposal for I would say small clients or small projects, but it's good to have a little documents or PdF. That kind of explains who you are, what you do and why you are the best fit for the specific project. But in this course we are going to learn how to write a full on business proposal. So I would say if you are working on up work or if you're just finding a gig on Fiverr, probably don't need or this because your profile will do the talking for you. But if you are trying to answer to a specific call for projects than yes, you will need to apply with a full on proposal. And we have some experience in this regard because we have this nonprofit that we have been managing for, Ah, long time, and we have written a bunch of projects proposal. Some of them have landed Big project, so the first thing it needs to achieve is to make a positive first impression. Let's see the second thing that your business proposal need to achieve Second thing is we need to inspire trust. And why do we need to inspire trust like we already the first good impression? But I showing a really nice proposal. And then why? Why is it important to generate or build trust with a client or potential client? Well, in my opinion, the first reason why we need to generate distrust is because the job or the project is important for the prospect. It's something that they have decided to outsource. They don't want to do it themselves. That means it is an important project for them. They will locate money, sometimes litter, sometimes a lot of money to this project, and so it's a huge risk for them. Choosing the wrong um, person to take care of this project could result in a big fail, could result in a chain off reaction for their company for their business, so it's basically important to build that trust because there is this risk factor for the prospect needs to make a decision. He has no guarantee this is going to be the best decision He has to take a risk. It has to basically put its trust in someone, and I would say Guess or bet that this person is the best one that he or she confined for the job. So that is why there is this stress factor. And I think it is also important because the potential client is not only looking at your only proposal, that person is checking out different proposals at the same time. So I guess they want that inspire more trust. It would be one of that, he says, standing out. That's true the other. It's a very good point that you're making that you're not the only proposal out there reaching to this prospect. You you will be competing with others and sometimes and I know for having selected candidates as well being on the other side, sometimes difficult to decide. I found myself selecting people for project based on the look of their proposal based on how professional it feels or based on some kind of subjective feeling of how I felt looking at their proposal. So let's come back to our point here. How do we inspire that trust? Well, first, and I think this is the most important. We have to show that we understand deeply what the prospect needs. They want to feel understood. If you can show them that you really understand the projects, the outcomes and the potential impact off these outcomes for the prospect. Then you start to build that trust because they will see in you owe. This guy gets it. He understands what the stakes are here in this project for me. So in order to do this, you need yourself to really understand the project. And if there are some uncertainties or some things that are not clear in the projects, you know, court for projects, you might as well like follow up, ask some questions even before writing your proposal. So you just clarify any doubts you might have so that you come with an on point proposal and the second thing in order to gain that trust, um, people, especially when a lot of money is involved, tend to I want to work and hire people with experience. And so it is a little bit unfair because in order to gain experience, you need to get projects. And if you want to get projects, unit that experience. So that's kind of like this dog chasing his own tail, but situation But one trick that we found useful with our nonprofit WAAS to use design to make you feel and to make you look bigger than you are, you know, when you send out a proposal in its super sleek, super well design the prospect that is going to receive that proposal of my thing. Oh, this has been created by a team of designers. And I think also, that's why come played a huge part in our story. Yeah, our organizations growth, I will say, because it helped us create really nice looking proposals. I agree. I agree. So using design to make you look bigger appear bigger than you really are. So these are the two points to kind of get you on the right track to earn your prospects trust. The third thing your business proposal needs to achieve is to wow your prospect. So we have these. Why do you think we need Teoh. Wow, our president. Well, because we need to stand out. Sometimes you will have three viable candidates for the same project. But if you come up with the most amazing like if the if, When they open your pdf, they're like, Whoa, that is nice. Yes. Then you have an edge on the two other guys or the two other people who have a very good proposal as well. But maybe this point means that you need to be the best or do your best to want the best for I just I mean, the way you wow is by standing out by proposing that experience. Kind of like a summary of the other points. But graphic design surely haps you Wow, your prospects. Okay, so, yeah, that's the first point here. Like impress your prospect with amazing design. Use canvas like use the full power of Canada templates, the illustrations, everything that Canada is offering. You used that to make that wow effect. So yeah, it really comes down to creating great design. And I think if you use Canada, you have that first advantage and then second, you have to demonstrate that you are a pro. So you do this by the language you use in your in your proposal, you need to feel and breathe comes like confidence, like you need to feel like. People who read your stuff need to feel like, Oh, this person knows what he or she is talking about. They really are expert at this thing. And so this is part of the overall feeling off appearing bigger than you are on and showing that you understand the client. So if you really master this, you will feel that or you will project that sentiment off professionalism. So this is very important. I think also another way to show or demonstrate that you are a pro is to pay attention to the spelling off every war details and also the little details not only in the copyrighting , but also in design. Because, uh, if you have maybe, like some text boxes that are not allying or some elements that are a little bit, I don't know, not very alive, it can make your designs look slow. P S O. I think if you play if you pay close attention to these little details, you can look us approach Yeah, completely helps you. It helps you look definitely herbs. I've been finding myself sometimes having second thoughts on candidates because there was a typo in their email or in their proposal or in whatever. Or because it was not super well aligned or something that they should have corrected in their design, that they didn't take the time to do it or didn't even see it. Which is worse, because then it shows me this person is not meticulous. Know, So maybe sorry, I just want to Don't be sorry. I want to add a little note here. Sometimes when you are working on a proposal, you work on it. So many hours and you are looking at it like so many times that sometimes so mistakes You don't see them that you are going to at misspelling. So I would idea. Used to show this proposal to another person, like in the in our case, running. He was writing the proposals and then he was like, Then I think I'm ready. Can you check it? It and I was reading it and trying to find misspellings or, like some do you know, details that were not looking really fine. So, yeah, it's a good way of doing it like so we need to another. And if you don't have that other person like you can leverage, or maybe your friends are tired of looking at your proposal, just let it rest for a day or two sometime. If you have the time. I don't miss a project because you missed the deadline, but yeah, it's sometimes good to let it rest, do something that has come back to it and have a fresh, fresh eyes to look at it right. Let's move on to our lives. Last point here, the force thing that your business proposals should accomplish is to show the prospect that you can deliver. So again, we come back to this idea of trust, like, what does the prospect want? He wants to find the best person for this job for this project. And so what they want is the job to be done. So it all comes down to Can you deliver? If you can show the prospect that you can deliver, you are almost there. So for that you will select relevant projects that you have worked on before in the past and show that prospect that you know that like you have that under control. You understand how to deliver this type of project because you've done it before. So think about the projects you've worked on, depending on what the project is about. But really go. Don't just show your best looking logo Or just don't just show your best looking and most professional video show the prospect something that is as close possible to what he or she is expecting for this particular project. So that is very important. To pick the right project to display in your portfolio in your previous experiences and number two, you need to really focus on showing that you have solved similar problems. Okay, So showcase previous experience in serving similar needs that is close to the 1st 1 like that is close to selecting the right projects to show your prospect. But in this case, you need to go a bit beyond the project and show that you have solved similar problems similar needs for other clients. Maybe by explaining okay, I worked on this project and this was the impact that my project, my help in this project, contributed to this other client of mine. So So I was just thinking about because you mentioned something about that logo. So let's say that Do you guys are a graphic designer? So I graphic designer can do so many things. Logo's or some days are kind of the signs, but let's say that your potential clients wants to have a logo. So this is a relevant project that you can show that you have the locus for other kinds of her even there, and then showcase proving experience solving the similar problems over similar needs. Its let's say somebody needs a logo, but it can be for so many different things, like clothing, shop, shoes, shop or coffee. Hold whatever, but like they say that you are working or you want to work with the coffee shop so you can show that you have war with previews or different coffee. Coffee shops like see me now, uh, kind of clients. So I think maybe these are the difference between both of them. Yeah, I agree. So that's what I wanted to say when I say go deeper than don't just show logo shore logo toe Client, which is that relates to you, relates to. This is like the project you are applying for with this proposal. All right, Donna, I think we gave a pretty good introduction to Discourse in the next lecture. We are going to study the structure of your business proposal so we'll go across 10 points that need to be included in your business proposals. We really see you there doing. It's a 3. The Structure Of Your Business Proposal: Welcome back to the class, guys. In this lecture, we are going to go over the different point, the different pages that your business proposal should include. So let's talk about this structure off the business proposal. All right, So the first section of your business proposal, the first thing I would say is very simple. It's a nice cover. Like, you know how people judge the book by its cover? Well, people, just the proposal by its cover. So create a nice proposal by starting with a very good opening page. So a cover pitch. Can I ask something? Yeah. Eso These Kovar should be different for every different project proposals You think? Yeah. We'll definitely I think the cover should include the title of the project. So this normally should be different for every business proposal. And I like also to include the name of the the prospect. Like the name of the person searching company. Yeah, so here we see different examples off like a four propose ear's. I like to use the A four format in case people will print your proposal and bring it to anybody in the company. But I also like to use the gay for in landscape mode, not just like portrait mode. So this is really entire entirely up to you. But a four is for me, the way to go because I still like the former people are used to, especially if they are going to print your proposal. And it is. It is possible that if you go like down the funnel of being selected for this specific project, it is probable that at some point your proposal is going to be printed and showed to some people who needs to make a decision, or even a full team of people who need to make a four portrait mode, portrait or landscape. I've used both most of the proposal life created, actually, our in landscape mode. I like the other, like the presentation basically kind of format, right? So the first page, the cover needs to set the tone it needs to flag, show what you are about, probably use your company, your color palette. You know, your you establish your look and feel. So you said the tone. Yeah, mostly visually, basically, but simply like your visual identity, you starts setting the tone and you start wallowing while effect starts at page one. So that's the first thing. Second section off your business proposal should be a table of contents, so it is also very simple table of content. Why? Because you wanted to make it easy for the reader to kind of navigate your proposal. You want to offer a bird's eye view of the proposals, so people just looking at your table of content, they would understand. OK, all right, this is what's inside this document. If they need to quickly jump through a specific part of it, they know exactly what Page they have to skip through. Yeah, and I think this is important because usually the proposals have, like, a bunch of different ages, pages and sections, so it can be confusing for the person who is raiding your proposal. They don't know where they are, where they're going. So I think this is nice for the reader to understand number here to navigate through the pages in the sections. So third thing. And this is where, like it really starts to become serious. You have to explain your why. So what does that mean? Explaining your why what it means different wise. Why are you sending the proposal just like like state your motivation? Why are you a good fit for this job? So in this So the Y statement is basically an executive summary. It's kind of like an opening letter that explains Briefly, doesn't need to be like a super long, But it explains briefly why you are the best person for the job, why you are the best company for this job. But also why should the prospect continue reading this proposal because they're taking some of their valuable time to read your I don't know. 10 15 page proposal. Why should they keep reading gift? This is like a hook hook, definitely what? For me, everything is a hook like the first page is also a hook like, if it looks nice and then the other proposals sitting on his or her desk look pretty normal . You would probably start with the one that looks very nice, right? Or she so whoever is in charge in this company will probably start by the most shiny object here on his or her desk or computer. So remember the wise? Why are you saying sending the proposal state your motivation? Why are you a good fit for the job? Explain briefly. Why? This is a good fit. And why should the prospect continue reading this? All right, next section is the body. I would say it is your proposal percent. So that is on explanation off your strategy to solve the specific problems that this prospect might have. Okay, so first you need to fully understand the project and then start explaining how you intend to provide solutions for the prospect for the client. Okay, So focus on the outcomes off the project for the prospect. Like, put yourself in their shoes. What are they looking for? Understand them. And then deliver information about how you intend to provide that solution. It's always good to insert a timeframe for deliverables, so people are aware. Okay, this is how the project is going toe unfold. If you have any questions about this, Yes. So a timeframe. You mean like, for example, you have a local creation that say again that you are a graphic designer, so you can tell your prospect I can deliver these logo in one month? Yes. What you mean what I would be I would be a bit a bit more precise and probably one month is too long. But so I would say, OK, so by Monday next week I will send you three rough draft off my logo and then or three off 10. I depends on how you work. And then based on the ones the feedback that you give me, I can I can refine and really go deeper on the specific options that you like. And so, by the end of that week, we will have your logo completely, Completely, I would say finalized. And then based on that, we can start developing your your visual identity. So the color palette and all the rest of the deliver birth that will be delivered to you. But you explain, you break it down. So the same. Like a timeframe for all the different stages of the process? Exactly. Yes, that's what I mean. Okay. All right. Moving on the fifth section off your business proposal should show a relevant port for you . So this is the part where you showcase your experience through different projects that you have worked on before, right? So here I tried to show, not tell, Don't tell how I have done so much good things before for amazing people, and they loved it like this. Statement doesn't HAVE any weight like you should show, not tell the impact you're having on other companies and other people. So use photos, use videos, use mock ups. This is always like the best. Wait for me to showcase your experience by simply putting it in front of the prospect so they can dig deeper in certain links. Eso they can really go like dig deeper like I don't have any other better way to say this, like for your for your potential clients to see what you already have done exactly. Yeah, to see your work, but also like, put your money where your mouth is like I mean, if you say you've done this in that, then insert links so they can go check it out. And if they can't even go check it out on the other, like past clients website, that's even better because they're seeing your work in action. The company. So that's what I That's what I mean. Are they sure in not tell? Also select projects that are similar to what the prospectus searching for If we've covered this point before in the previous lecture off the course, so let's not talk too much about this one. Just pick the most relevant projects in your portfolio section, right, moving on to section six. Insert client testimonials. And I know you were going to say that because because we've been collecting so many client testimonials without a nonprofit with our online courses like we understand the power off social proof, the power off testimonials. So here again. So what are the key rules with video video video video works best, especially while showcasing the experience of previews customers that have worked with you . So use video testimonials whenever possible. Make it a habit to gather these after each job. So it's super important when the job is finished and the client is happy. Well, jump on this opportunity to gather a testimonial. You know, today everybody has a smartphone. Just send them a quick message. A Jeff, uh, I'm so glad that you liked your new logo. Could you give me, like, a 32nd a one minute testimonial about how it waas to work with us? Like, what did you like about our work relationship? Asked in a couple of questions to get this kind of testimonials is really super important for you to give your client a set of questions because sometimes it's difficult to get a nice testimonial by asking just one question. So try to get, like, three or four different questions for them to explain how they failed when they worked with you. Exactly. That's so examples of these questions. I don't have them, like at the top of my mind right now. But like, for example, one is How was it you work with the ANA? Would you recommend working with you and to your friends or what? What did you feel when you first look at your local or your foot is whatever you know, but yeah, think about them really well before delivering these questions to your client. So you get what you want people to see from this testimonial. Exactly. So don't leave it to open because people might not be inspired. It might say, Oh, yes, she's very good. But you know, like just air uh, no concrete, like try to go for the concrete, measurable outcomes. Let's focus on the outcome. The impact. What are they going to do with the work? Uh, etcetera, etcetera. So think very clearly about what you would like to get in your testimonials. And it's the questions you are going to send your prospective your client at this stage because it's a client at this stage are going to influence their answers. So think about them. Yeah, and so should be some kind of questions that your potential client might be asking themselves. So, for example, let's say I am a photographer and I take Portrait's. So I took a portrait of running and I asked, Ronny, Ronny, can you give me your testimonial? And I know that somebody another federal better waas Teoh he would he would be checking out these, uh, proposed right? So I went to ask, replied to Petrus questions by having rawness testimonial. So that's say that better. He's asking himself like I don't know if I will feel comfortable in this shooting or I will feel fine with the honor working with, you know? So I will ask Ronnie, How did you feel working with me? Wasit? Comfortable So you address, like eventual potential doubts or questions that your prospect might have by showing them a testimony that answers that exactly, he might say in his testimony, like, I felt very comfortable working with these. So I know, you know, like with the kind of questions you can try to solve. Potential Italians doubts Your pain. That's a good one. Great, Let's so let's continue here. A couple of things about testimony also select testimonials from established clients. If you have worked with some of them nor industry in the three leaders or big shots, if you have worked with any of them because these testimonials from like Mawr influential companies will have more weight then if it waas a random testimonial from somebody nobody knows. Oh, I've heard off before, So that's an important part, I would say off the proposal, like a good set of testimonials, or so make them, um, easy to fact check meaning. Give the real name of the people in the video, show their name even, maybe, like as them before. But if they are okay to be contacted by prospects like make it easy for the prospect to get in touch with these people to kind of double check, you know, like what they have seen so That's it for testimony. Let's move on to Section seven off what your business proposal should include. It should include off course your prices, thistles, super important. And a lot of people kind of don't really know how to handle that. Because it is. It is a problem. Like how do you, especially if you don't have much experience writing proposals, working with clients like How do you price your services and or products like, You know, if you price it too high, you might lose the business. If you price it too low, you might work yourself to death and just not make enough money. So it is super important. So my advice is, offer a few pricing options so that the prospect can find something that fits their budget , you know. So go with the basic standard and premium. Of course, like premium should be way more expensive than the basic and yeah, offer a couple of options like don't be super specific, but detail the different products or services that you offer and create this kind of ranking. But be open, like be open and make the client feel like they have a choice. They can get the basic stuff for this low price bility video price. Don't set your price too low, but there can also get the royal treatment with the massage and the chocolate cake delivered to them with the outcomes. You know, like make them feel super special. If they pay the super price, so have this range of prices available in your proposal. Make it also very clear that's that's my advice but also dawned underestimates the value of your work. Be confident. Okay, Number eight clarified terms and conditions super important. That's kind of what follows the pricing information. So information about any potential down payments that, like, you know, when you signed the contract, I need 30%. That's the policy. Make that a thing like don't just start working and then you hope to get paid at the end of the project. Happened to us so many times. Rookie mistake. And for that like ask for a down payment. It is completely legitimate in the industry. Talk about your insulation policies. The start and end dates. The daily verbals Theo accepted payment methods like the way you except to be paid etcetera , etcetera. This is the section where you talk about all these details. I was in terms and conditions. All right. Moving on to section nine of your business proposal. Add your contact information. Of course, if you want the business, people need to get a hold of you so super important to add your information. How can people get ahold of you can contact you?
