The secret to making a schedule actually work for you. How to handle your email like a boss. The importance of remaining flexible and how to stay on track as you work towards your goals. A Simple Way to Organize Your Day and Get Boat Loads of Work Done: in this lesson, I'm gonna cover a simple way to organize your day for maximum productivity and efficiency, because one of the biggest challenges that we face is entrepreneurs or anybody who is self employed is that of remaining self motivated. You don't have a boss breathing down your neck telling you what you need to do next, right? I mean, that's probably one of the reasons that you may have decided to become an entrepreneur in the first place, right? I mean, ditched the boss. But the thing is, is it's really a double edged sword, because on the one hand it's awesome. Do not have a boss telling you what to do. But on the other hand, the burden of stained motivated is now squarely on your shoulders. And to make matters worse, if you work from home like so many entrepreneurs do nowadays, there are many seductive traps that are there. It's very easy to fall into, You know, your refrigerator. Watch a movie, social media, checking email, just browsing around on the Internet. Anything can be a distraction when you work from home. So one of the biggest mistakes that I see many beginning entrepreneurs make and some experience ones is that they don't schedule their day. What they do is they roll out of bed, they flip on their computer and they just start checking emails. And that is absolutely the absolute number one worst way that you could start your day aside for Maybe, you know, tying your shoe laces together and trying to rush out of bed because it's the fast lane to allowing everybody else's agendas to monopolize your time. And then the other thing. The other huge challenge that we face is entrepreneurs is the fact that our to do lists are in. I mean, they're enormous. Usually most entrepreneurs I that I've worked with and talk to I mean, you can't complete everything in a single day. It's like, you know, one of those mythical fire breathing dragons. It just can't be tamed. So what do you do about this? How do you manage all of this and make everything work so that you don't wind up back in a 9 to 5? Well, what I'm gonna show you is a way to conquer that dragon, so to speak and to get your day organized in such a way that you can literally become a peak productivity rock star. And so to do that, I'm gonna share a system with you. So let me give you some of us some of the benefits of the system that I'm gonna be sharing with. You hear? The first benefit is it's gonna allow you to stay focused and stay on task. It's also going to allow you to maintain perspective and keep your site on the big picture . And the simple system that I'm going to show you is also going to This is a big was a big one for me is eliminate the confusion about what to do next during your day because our to do lists are so big and because we don't have any sort of boundaries as far as what we could be working on, even if we are really focused, we're not, you know, fallen into distraction traps like watching movies or whatever it is. Even if we're really trying to focus on our business there so many different ways to grow your business and develop your business that oftentimes it becomes tricky to know what to do next. If you don't have a clear plan So here's what you do. The first thing you do is before you do any work, spend some time planning your day. Okay, in regards to email. Unless there's some red hot emergency, that is just, you know, absolutely requires your attention right now. Don't touch it. We're gonna plan some specific time to handle your emails in the within your schedule. But for right now, put email aside, and that goes for social media as well. What you want to do is you want to close all the tabs on your computer, and I just want you to open up a fresh, a fresh word, doc, or I use Google. Dr. Whatever word processor you use, just open up a fresh document. Okay, So what we're going to do now is we're gonna create what I call an outcome based master list. So here's what you do. You want to write down end results that you want accomplished. So you wanna begin with the end in mind, and these could be either short term or long term projects. So, as you can see on the screen here, I just put down three fictitious examples built email list with 500 subscribers. Existing e book converted into Spanish best selling Amazon e book in motivation category. Okay, so you want to make those a specific of outcomes of end results as you can, and you want to just build a list, write down everything you can think of. I probably on my own personal list. I probably have, like, 20 or 25 things. Now, a quick side note. We're starting this process from the ground up. But you're on Lee really gonna build this main list once over time, you will modify it and change it and move things around and take things off and put things on. But you're not going to sit down and create this entire list every single day. Okay, So once you have your outcomes down, the next thing you want to do is prioritize them. So in this example, I've put down the email list is first existing e book converted into Spanish a second, and then the bestselling e book is the third After you've done that, what you want to do is you want to break these projects down into smaller components. So let's take this one and you want to think high level here. You don't want to get ultra granular on this list. So, like, what would you need to do to build an email list with 500 subscribers? Will you need a lead magnet, right? What else do you need? You need a what? A giveaway, right? Like the ethical bribe. You've probably heard of the free e book and a free course. And then And what else do you need? You need to set up an auto responder. Right? And then on this, what are some examples here? What are the steps, Teoh achieve that high level? Well, you might go on up work and get, you know, 3 to 4 quotes and make a decision, right? For Spanish interpreters. What about here? Well, if you don't have any book written, you need to write any books you need to outline the book, you know, um, yeah, you know, maybe write a chapter a night, and you need to promote it. Okay, So what we're doing here is we're doing Cem high level executive planning. So the key is to keep revisiting this list daily. I opened up this in the morning before I start my day. Every single day I look at this and I adjust it and I moved things around and I just think about it. I just do Cem clear thinking about what it is I'm trying to accomplish, how I'm going to get there and I just work it all out right on the sheet. So the key is to keep revisiting this list and make changes and updated and add clarity. Now again, on this list, keep everything really high level, OK? Do not get overly granular now. What you do then is you open up your calendar and the very first question that you ask yourself is you say, what are the things that I absolutely must get done today, no matter what. So in this example, we put down pay hosting fees and I put it in red. So I scheduled that first. Then I put email JV partners and whatever else doesn't matter. Just whatever those things are that have to get done, like, you know, pay Comcast whatever it iss those things that are just now agony in the back, your mind that you know you have to get done. So you scheduled those out first Okay, So we're gonna put all those in red for the sake of, you know, making this easy to visually understand. Once you have down those required things that you have to get done, you go over to your list and in this example, my top priority. My my main project is the top priority is I want to get that email list built can. Now, here's the secret to making this a reality to making this really work well for you on this outcome based list. You stay high level on here, you get ultra specific. So in other words, you wouldn't write down, but you wouldn't write down in this one. You wouldn't write down build email list? No. You want to put down the actual specific example the specific thing that you're going to dio, which in this case is you're gonna build a lead magnet. For those who don't know, a lead magnet is the same as a squeeze page. It's that opt in form where you see it says, get this free e book and give your you know it. Get this free e book. If you give us your email address. So what? This person does is a schedule in that first piece right here the next. What's the next piece? The give away. They need to create a giveaway. Right now. What you're also doing here is you want to make sure that you're scheduling reasonable amount of times here and leave little breaks. It usually helps toe work in, like, 90 minute increments. Okay, I just work really diligently on something for about 90 minutes. Get up. Stretch your legs, get a drink of water. But then get right back to work and just start filling out your tasks. Or excuse me, your time blocks here, based on your outcome list in order. And then what you do is you've noticed that I've put social media will change the color, so it's easier to see. Two purple is I have scheduled social media for the end of the day and emails, and I put a repeat on it for daily. Okay. Every day at five o'clock, I'm gonna check emails and social media and social media can be business related or whatever. For me, it is usually the point being is that they're not. This person is not gonna touch email until that day. Excuse me until that time, Okay? All events, whatever. Put this down here now. A couple things about this. I don't know if you've ever heard the quote by Dwight Eisenhower. He said plans are useless, but planning is indispensable. So you want to be flexible here? Things were going to come up. You're never gonna be able. May maybe never gonna be able to stick to the schedule perfectly. But you really don't need Teoh, okay? You really don't need to do this perfectly for to have major benefits for you. Now the other thing is is again Let's say that you're working, working, working on that lead magnet and you get it done, and then you go and you take a break or you have to do something else. I personally keep this calendar open at this to have open all day. Just my calendar. Once I get my calendar straightened out, I usually close this and I just leave this open and then open Whatever. Just the Onley other tab I need or the only other couple of tabs I need to complete. Whatever it is I'm working on in that time block remain flexible okay during the day. If you get sidetracked, open up your calendar, See what you should be working on. And keep in mind that this is gonna take discipline. As you begin to incorporate this system and use the techniques that I've given you, you're gonna find that you get, ah, lot more of the right things done and are steadily turning your ideas into concrete realities. How to Complete the Class Project: Now that you've gone to the lessons, it's time to put what you've learned into action. So go ahead and practice what you've learned. And then to complete the project for this class, simply scroll down to here where it says, Start your project, Go ahead and add a title to your project and then in this space here simply include a comment, a question you have or a challenge that you'd like additional help with. And this could be a simple as a description of your experience. Then, once you've got this filled out, simply go down to this button. Click Create project and you're done.
