3. Designing Your Ideal Workspace: designing your ideal workspace. Hi and welcome to our first session. Working from home is so many benefits and positive aspects to it. We save so many hours per week by simply not having to drive each day to the office. We also save money by using less gasoline. We pollute our local environment less, and we save a ton of willpower and save ourselves from so much stress by not having to fight ourselves for the daily traffic jams. We also don't get distracted by our co workers of the office. No one knocks on our office door to interrupt our concentration. No one stops in to discuss last night's sports game. Best of all, if we wish, we can stay in our pajamas throughout the day. But working from home, Masal comes with its challenges. Most importantly, our personal and professional lives could all blurred and mixed up, and we cannot any longer distinguish where our professional life ends and where our personal life starts. And surrounded by our personal belongings and reminders of chores, it's hard to focus distractions like TV books. Kids in the laundry start calling to us despite planning to work until 12 30 before breaking for lunch, we find an excuse to break early. If our spouse or Children also happen to be home, they don't hesitate to interrupt us at every opportunity. Ideally, your home should be a place of relaxation, safety and security. It's a place where you subconsciously slip into a calm, easygoing state of mind, putting the stresses of the workday behind you. You know, you leave your office, you come home and you know that you can finally relax. Now you getting out with your kids, have a romantic dinner with your wife or husband, or you can just go out and have a great time with your friends. But working from home punches a hole right through your place of relaxation, fun and security. Many people who have been working from home for a long time complain that they feel like they're never off the job. They always feel a compulsion to check email or get one last thing done. And this here is the biggest challenge that we face. When working from home, our work life balance becomes virtually non existent. We feel like we're always working. We don't get enough rest in free time, our hobbies and sports activities we love get put on the back burner, and as a result, our relationships with our wife, husband, partner and kids suffer and deteriorate. That's why the most important thing, and in my opinion, the first thing to do if you work from home is dis emperor. Rate your professional life in your personal life. What works best is that you would want to set aside a physical space for work that's separate from the rest of your home. You need a separate space for yourself, the work in somewhere. You can focus on tasks without being distracted and set it up with everything you need for a normal working day. Your computer phone, stationary paper notes and the rest that means a designated workspace or home office. I've heard of a woman who maintains a home office with a door that locks and a big red warning sign, never to interrupt her when the doors close. You know it took a while, but her family eventually learned to respect the rules. When you work from home, I recommend that you set expectations with your wife, husband or partner to not disturb you unless the world's about to end if your family doesn't disturb you, but you're constantly being distracted by noises coming from the kitchen or living room. Then I suggest you invest in a pair of noise canceling headphones, which block out family noise and keeps you firmly entrenched in your work. Okay, so here's the first thing that I'd like you to do today. If you have a spare bedroom, library, den, formal dining room or other room in your house that sees in frequent use, consider converting it into a home office, even if only temporarily. If possible, close the doors. Will you work and hang a Do not disturb sign through experience? I've learned that it could be really easy to overwork myself when I worked remotely for my own house. As working from home can sometimes feel like I never leave work to combat this. Make sure you stop working at 5 p.m. every day and ignore the urge to check messages and assignments. Otherwise, you'll be tempted to open up your laptop and just do five minutes of work, which can quickly turn into an hour. And don't expect that this will be an easy transition. You should prepare for it with same attention to detail that you would create a business plan. It's that important. You need to choose a suitable space at home that will be your workplace. Then you'll want to separate your work in business tech stuff like your computer and printing machine from the rest of the house. So many people have one device that's used for both business and pleasure. That means constant distractions during the work day and constant business intrusions during relaxing times. A balanced life requires discipline and separation. Your device must not be shared or accessible. Toe others in your family so no one else in the house can interrupt your productivity or accidentally answer your business calls. Ideally. And if you can, don't use the same smart phone for business and family so you won't be interrupted with non business calls. Having separate devices may seem like an unnecessary expense it first, but it's critical to separate business in home and achieve a balanced life as a rule of thumb. Have a smartphone, laptop, landline, tablet and printer dedicated to your business, or work and use them for no other purpose. Don't give business or work. Email addresses or telephone numbers to non business people or your private contact details to business people. Most entrepreneurs and people who work from home use one device to handle business work and pleasure, and their lives become chaotic and unproductive. If you're just getting started, the more efficient and productive that you can design your workspace and the better you can separate dedicated devices before you start, the better and easier it will be for you. Space in a home could be limited, but there are certain must have that make developing a productive routine easier. Most importantly, your home office or workspace must be separated from the rest of the house, a space that's separate from your main rooms and any family traffic is important and preferred creating a home office or separate place toe work this year alone forces us to go to work and later leave the workplace for home. It builds a boundary between work and home. It helps your partner, wife or husband and your kids and houseguest to acknowledge and respect that boundary. If your apartment or house does not offer an obvious separate workspace, then maybe think of converting a spare bedroom a basement or loft space might also work so long as there's natural light coming in in a separate office base. Background noises like your kids playing or your wife or husband cooking in the kitchen are less likely to disturb you. And if your family or partner can't see you, then the temptation to bother you goes away greatly. And when you're in that space, when you're at your home office, your mind will adjust to that of a working person Later. When you leave that space, you can better relax at home and you're away from the temptations of phone and email notifications. Ideally, you would also want to have an office door. Although it sounds quite obvious a door that closes off your space is essential and super effective. Even if outside noises limited, shutting the door is necessary. It helps you to concentrate better. It avoids distractions and provides a more professional and productive environment. Many times, people that work from home call their boss, business partner or co worker with the sound of dogs barking or Children playing in the background of his or her location. It doesn't give a professional impression. Moreover, natural light is incredibly important. Don't be one of those persons who work other basements without natural light, its even more depressing than working in a cubicle. In most workplaces, there are lots of health benefits to having natural daylight pour in. But it also helps alleviate that sense of isolation from the world. Okay, so let's now do our first exercise and separate our work and our personal lives so we can eliminate most of the distractions that are coming from our homes and to actually get things done for this exercise we're going to design are ideal workspace based on your home setting in your work requirements. How would your ideal workspace look like? How could you design your home office so that you'll be most productive when you actually do work? And how could you design this space so that it will keep you inspired and motivated and become a comfortable space to work in? Could you maybe invest in a new, more comfortable chair? Do you maybe need to buy some really effective noise canceling headphones? What things do you need in that space so that you'll become most productive and happy at work? You know, very few people actually take the time to really think of how things would look like if they were perfect. But I think that this alone can become one of the most eye opening and powerful things that one can dio. If we just took a couple of minutes and we closed our eyes, we're just trying to imagine how things would look like if they were perfect. How much more likely will we be able to make that come true? So let's just say, if your current level of happiness and productivity working from home is at a three or four out of 10 then what could you do to take this to a six or eight nine or even 10? Do you like to listen to upbeat music whilst working that keeps you motivated and happy? Do you need to invest in a more comfortable chair to sit in because your current one your back, starts to hurt after just a Knauer of working thinking of how things would look if they were perfect and then actually designing it and proactively creating that in a real world could be one of the most powerful things. Weaken Dio. So what do you need to do to make your workspace work for you. I'd like you to take a pen and paper or notebook now and download the PDF exercise called Designing Your Ideal Workspace that you'll find on this website and simply write down the most important things that you would need it your home office for it to become the ideal workspace for you. If you like typing text on your sofa, then why not incorporate a comfy sofa into your workspace and use it when you need to type text, write emails or proposals? If you're an active person and you love to be surrounded by nature and plants, why not have beautiful plants? Flowers in your home office? Let your imagination run wild and think of how your home office would look like if it were perfect. And how could you design it for maximum productivity? How could it become a sanctuary, a sacred place for you to get things done in the most productive and distraction freeway, So press pause on this video. Now take your pen and paper or take out your notebook, or use the pdf exercise and write down, you know, like quickly and bullet points how your ideal workspace would look like and take anywhere from 5 to 10 minutes to do this. And when you're done, come back when you're finished. All right. So how to go? Isn't it amazing how if we just take a couple of minutes to visualize are perfect scenario that how eye opening that could be and how this can really help us design and create Not just a better but are ideal, most productive work environment. Okay, so now it's time for part two. What I'd like you to do now is I'd like you to go through the list and put a star next to the most important things. You know, the things that will help you become most productive and happy at your workspace. Okay, So put a star next to those things that will make the most positive impact on your productivity and happiness and things that if you could that you could incorporate into your home office in the next week or two. Ideally, you'll want to find the top 5 to 10 things that will make the most positive impact. And if you're gonna be using your computer to do this, you can maybe put a dash, or you can use another convention system that works for you. When you're finished with this step, I want you to Then go back through the list and take everything that has a star next to it . The things that will make the most positive impact and that will get you big results in your future and then transfer them to another list. Now, if there are more than 10 items on that list with stars, you have too many. So you want to pare it down to 10 Max? Okay, good. Do this now and then Come back again when you're done. All right. So you should, ideally now have the top 10 things that will become part of your future. Ideal workspace. Congrats for that. Now, I just have a simple request for you. When could you buy these things? Move your work stuff in your home office. And when could you incorporate these 10 things into your home office? So that you'll create your ideal, most productive and most inspiring and happy place to work in? When could you do that? On what date and time would you do it specifically will you start tomorrow or next Friday or Saturday at noon, When could you do it, put it in your calendar and to do list and most importantly, actually do it. Separating our work and personal lives and creating are ideal. Workspace is the first and most important and powerful thing we can do to make working from home actually work for us and our partner and family, it creates a firm boundary that separates our work from our family and free time. It helps us keep all distractions at bay and helps us focus and to actually get things done . And it also helps our home to remain a relaxing and personal place that we can actually call home in the next video. We're going to learn how to make ourselves feel and act most productive when working from home, and we're also going to do another powerful exercise. All right, see in the next video
4. How to Be & Feel Productive Working From Home: how, Toby and feel productive. Working from home. Hi and welcome to our second session. There's crystal clear scientific evidence that shows that people make judgements about others based on what they see. People immediately noticed gender and age after a few seconds of further judgment about height, hair, face, body and close takes place, depending on what type of company you run and what type of business you work for. How you dress can have a significant bearing on how much success you have. This should be obvious, but I'm frequently surprised by this sloppy appearance of businessmen and businesswomen. Maybe it's not fair, but most people do judge the other based on pure looks. That's just the way it is. I bet you wouldn't hire a lawyer dressed in a hoody to defend you against a multimillion dollar lawsuit. Even though you know you're innocent, would you? Several studies have also shown that morale is higher and people are more productive overall, where they wear clothes that they're comfortable and confident in. Some people feel they're sharper if they dress well at home. Others think dressing casually increases creativity. Moreover, according to a study done by storm Line 61% of employees tend to become more productive when the dress code is relaxed. How's your experience been? Do you feel that if you wear your pajamas or your home clothes that you feel more relaxed, creative and productive when you work from home? Or do you feel like slacking off and dressing in a suit or nice shirt and jeans makes you sharper and more productive, and you actually feel better about yourself and get more work done? So for today's exercise, I'd like you to think about how you could dress up at home to feel and become more productive when working from home. Pause the video. Take out your pen and paper or your notebook. Download the exercise called How to Be and Field Productive Working From Home and just simply write down how you'll dress to feel and become more productive. This should only take about 3 to 5 minutes. So do this one and come back when you're done. Okay, so by now you should have your ideal working clothes that you're going to be wearing at home for the time that you'll be working. It might be a suit shirt, your pajamas hoody or dress whatever makes you feel most comfortable and productive. And now make sure that you actually wear these today onwards. How we looking dress really does make us feel totally different and makes us act differently based on what we wear. Just imagine how you would feel if you were dressed in a plumber's clothing with dirty hands or, in contrast, how you'd feel in a $5000 for such a suit. Now I know I'm exaggerating, but I just like to make the point. How we dress really does affect us on how we feel internally, how others perceive us and, most importantly, how we act. So went alone and one working from your home office or your designated workspace. Make sure to wear the clothes that you wrote down, and when you get on a zoom team call or wherever you're speaking, your business partner or co workers or boss via Skype, resume dress appropriately and professionally. And here's another great tip. If you feel constantly stressed because you're never dressed for off duty trying forming a post work ritual to decompress, for example, by changing your outfit after work is a concrete representation that you're not in work mode anymore, even if you just change out of one pair of jeans into another. And this can also become another powerful way for you to separate your work and personal lives. Maybe you think that it's silly, but try it out and test it to see how it works for you on the outer level, this little change might not look like a super cutting edge technique, but subconsciously it does affect you. So trying this one out and tell me how it went. You know, you can also get really creative, and after your work is done, you could get dressed in your favorite vacation glows. I bet that if you take your Hawaiian T shirt and you put some comfy jeans or pants on that , you'll feel a lot more relaxed. Dr. Jennifer Baumgardner, a psychologist and author of You Are What You Wear, even says that the days that she doesn't change her clothes after work, that she finds herself more agitated and that she finds it harder to put work down nowadays digitally were always plugged into work so clear boundaries has become more necessary than ever. So just try this one out and simply treated as an experiment. And see if this does make a difference for you. Okay, so in the next session, we're going to take another step further, and we're going to learn how to stay motivated and organized and how to stay on track with our business and work plans. People keep telling me that they really struggle to stay motivated and follow up on their plans when they've got no healthy office competitors or bodies who would keep them motivated. For now, though, I'd like you to come up with your ideal work clothes that you'll be wearing for working from home. And when you're ready, come and join me tomorrow for our next session here. Okay. See you there.
5. How to Stay Focused & The Power of To-Do Lists: how to stay focused and the power of to do lists. Hi, and welcome to our third video of our productive at home training series. Inside this session, you're going to learn how to stay motivated when working from home alone, how to stay on track with your work and business goals and how to increase your focus and actually get things done. And, most importantly, how to actually get the most important things done so you can achieve your business and work calls. Okay, all right. So the challenge when working from home and when you're not surrounded by the career driven energy of ambitious colleagues every day, is that it's all too easy to slip into a run. That's why it's super important to write out your short term and long term goals and put it in a place where you can see them daily. Ideally, you'd want to have your most important goals, your 36 and 12 month goals written on your home office board, where you can see them daily. On the other hand, it's even more important to plan and right out daily plans and to do lists. These help you gain focus and clarity about your goals for that day, and it's best that you do that each day before you actually get to work. You see, when you think of something that needs doing, I suggest that you write it on a list. If, on the other hand, your immediate reaction is to tell yourself you'll remember it later, then you do not have task discipline and your business and work success will suffer. So here's my advice at the end of each day, right out a to do list for the next day and said it to priorities. What needs to be done and what are the top three or top five most important things that you need to accomplish that day? This will do two things. First, it will help you take stress away from the fear, forgetting something. It will clear your mind, and you'll be more relaxed and clearheaded in the evening. Also, your family or partner will stop complaining about you being so mentally distracted all the time. Secondly, by writing your list, you make a subtle but clear commitment to perform and actually do. The tasks you've written down the list is your commitment to ensure a productive day tomorrow. Then when you enter your workspace the next day, review the list and start the first and most important task immediately. This is essential and, if possible, do not be tempted to check emails, voicemail, social media notifications or text first as they'll scatter your focus in 100 different directions. So get that first task done before you give into the temptation to do anything else. And this is especially important when it comes to the impact of time zones. Many feel they start their day having to play catch up with other zones where the day has already begun. When they enter the office, they can have half a day's communications to respond to, and at the end of the day, they hardly get anything done. So avoid the temptation to be distracted by that, if possible, get that most important task done first. Moreover, finish what you start. I bet you have experienced checking into a hotel when the person who should be helping you then takes a phone call in the middle of your conversation. It's as if an invisible wall is instantly erected between you and the receptionist, and although you still see him or her. You've suddenly become invisible to him. She or he hasn't finished what he started before moving on to another task, and the impact is to offend us. When something different calls for our attention, we usually stop what we're doing and turn our attention to the distraction. Instead, this is intensified when we work from home because we confined the isolation, working alone or being lonely, difficult to deal with. If the phone rings or your email alert interrupt you while you're working on your project, avoid the temptation to drop what you're doing. In order to answer the phone, read the email or check your social media notifications. Your mind will tell you that it's just a quick distraction. But if you respond, you can very quickly lose focus on the task he started. And if you get distracted by too many things throughout the day, you could ultimately end up losing 23 or even more hours with just unproductive things. Things that at the end of the day will not get you the results or get you the goal that you ultimately want. So when you pick an important task from your to do list, start it and finish it. Don't allow any interruptions or distractions from your smartphone, email or the likes to distract you or waste your time.
6. The Power of Scheduling: the power of scheduling Hi and welcome to our fourth video of our productive at home training series today. You're gonna learn the power of scheduling and why having a schedule is so important and effective when working from home. All right, let's get started. So working from a home office can be a challenge to keeping a regular schedule. There are so many tempting distractions around, and family and friends love to pop in and chat. Then there's the temptation to catch the last moments of an afternoon baseball game, check the stock market, play a video game or get the news headlines. A person I know who started working from home thought it was OK to visit her friend down the road once a week for a mid morning coffee. Soon, the once per week coffee break became a daily event, and then 1/2 hour break turned into two hours a day of lost productivity at home. And especially if you own your own business, you're the time manager. The secret to staying productive and getting important things done. Things that make a real difference in your business or it work is to create your own work from home schedule and stick to it. You see the concept of normal business hours remains in use all across the world because it works as an efficient time management tool. When you have set hours, you know when you're supposed to work and when you're free to pursue other interests or spend time with your family, your partner or when I hang out with your friends. This allows you to plan days, weeks or months in advance because you know when you're going to be working. But that might not be the case when you're working from home, especially if you own your own business. That's why you would want to set your work days and hours and stick to them. In most cases, that means maintaining regular business hours or basing your work hours on the schedule maintained by your spouse or kids, not on Lee Willie. Conventional schedule make you more productive. It will also allow you to separate your work and personal lives and allow you to spend time with the people you care about. Creating your own work schedule is ideal if you don't have your work hours pre planned by your company. If you own your own business that allows you to work from home or if the company that you work for allows you some flexibility and setting work hours. Writing down How you want to spend your time can help instill the discipline. You'll need to stay focused and manage your responsibilities and separate your work life from your personal life. That 9 to 5 workday doesn't really exist in the same way when you're working from home. So it's easy to let that newfound freedom become a distraction if you work from home. But you also have Children to care for during the day that I highly suggest you get some help. You know, as a parent, you love your Children, but work and kids don't go together. Just is in a traditional office setting. If you work from home, my best advice for you is to obtain some level of child care for your younger kids. Try to obtain at least minimum daycare assistance during the hours that you do work after your work day is done, you can then do whatever you like. You can play with your kids. You can work out. Go for a walk, you know however, you like to spend your free time, but don't fall into the trap of mixing up your work and personal lives. This is one of the biggest mistakes that I see people who work from home dio and it has so many negative side effects. When you work, do it in your home office or designated working space and stick to your schedule. And when you're done, leave and lock your business devices like your smart phone and your laptop that you use for work inside your home office. Leave your workspace, block the door and completely forget about your work to do lists and so on.
7. Getting out of the Grey Zone: getting out of the gray zone in this session, we're going to do something that's called Getting out of the Gray Zone Now in their book The Power of Full Engagement, Jim Layer and Tony Schwartz. They talk about this idea that we get to the point in our lives where we mix up all the different things that we're doing. It's kind of like a multi tasking issue in a lot of ways where we can no longer enjoy a pure experience anymore. The question I have for you is this. Where are you living in the gray zone in your life, where you're all kind of mixed up and confused, going from one thing to the next back and forth, physically, emotionally and in relationships and mentally, conceptually. Okay, so let's say you've got a great family and you've also got a lot of great work that you do . And let's say that the work is very intense, OK, and let's further say that you've gotten yourself to the point where you really became kind of a certifiable, workaholic Europe, the point where when you're with your family, you're just thinking about work, and when you're at work you're thinking, Oh, man, I should really be with my family. Well, that's the gray zone. This is when you can't be fully present in one part of your life. For example, with your family and when you can't be fully present in other areas of life, for example, at work. So again you really mean well, when you're at work, your you're trying to do a good job. And when you're thinking about where I should be with my family, right, your heart is in the right place, and when you're with your family and you're thinking about work, you mean well, you're trying to do the right thing. You're trying to stay focused on the things in your life that get you results. But the problem is that you're robbing from both and you're probably running it, you know, 50% of the efficiency or 20% of the efficiency that you could be running at. So I'd like to ask you this. Where are you living in the gray zone, where you mixing up your life and you do a bunch of things at once or you're just doing them unconsciously. Where do you not feel like you're putting all of your attention into one thing at one time . Okay? Where are those times in your life for this exercise? What we're gonna do is we're gonna make a list off all the things that we do in our lives where we're in the gray zone. And then as soon as you make a list of those things, you're gonna come back and I'm gonna give you the next step. So again, it should take you maybe 5 to 10 minutes to do this exercise. Either do it in your journal or on a blank piece of paper, or do it in a computer file and try to keep all these together. So just make a list of all the places where you currently live inside the gray zone. Anywhere you don't feel like you can give your full attention toe. One thing that you're doing because you're getting distracted switching back and forth, we're gonna do this now, press pause on the video, do the exercise, and then come back as soon as you're done and we'll do the second part. Okay, good. All right. So doing these types of exercises, it's kind of enlightening, but It's also a little scary because you realize, Oh, wow, I'm not doing the things that I need to be doing. I'm not focusing on the things that I need to be focused on. So the second part of the exercise here is about getting some awareness about what's important in life. What are the things that you're trying to do that you really need to dio. But you're in the gray zone when you're doing them where you're not being present, you're not being effective. What are the things that you need to start putting all your attention into and focus blocks of uninterrupted time? Okay, so the second part of the exercise is we're gonna go back and look over your list of Grey Zone areas where you're living in the gray zone, and what we'll do is we'll put a little star next to those things that we need to take out , and we need to put large chunks of focused, uninterrupted attention and time on. Okay, so you should now have at least three things you might say. There's a project that you do that's very important when you're at work and it's calling on prospective customers to get people to buy stuff. And you know that you're in the middle of the gray zone all the time. When you do that, you'll call a customer, and then, for example, you'll check your email and then you'll have something to eat and then you walk around. But what you really need to do is just spend one hour every single day and call 10 perspective customers, because that'll lead to you having good in depth conversations that might go for 15 or 20 minutes each, and then you'll make a sale. That's all the prospecting that you might need to dio rather than spread it over your whole day or kind of go back and forth and kind of getting a bunch of other things done in between. But you wind up not getting the important things done. So what we want to do is we want to put a little star next to the things that are really important that we get done every day, the things where we need to put focus on every day. Okay, so we're gonna identify them right now to get our minds prepared. All right, so go ahead and go through your list and put a star next to those things that you need to take out of the gray zone and put some focus on. Do the second part of the exercise and then come back tomorrow and we'll take this to the next level. Okay, I'll talk to you tomorrow.
8. The 60-60-30 Rule: the 60 60 30 rule in this session, I'm going to share with you the most powerful concept that I've ever learned. When it comes to productivity and focus and just getting the most out of yourself in your life, I call this the 60 60 30 rule. The 60 60 30 rule allows you to focus your mind entirely on one thing at a time, thus dramatically increasing your focus and the amount of things that you get done now. It's not only a way of managing your time and energy to get better results, but also to feel the best and to feel the most energized while doing it. We want to be focused, but we also want to feel that we're on purpose now. Our bodies. We have literally hundreds of different rhythms and cycles going on, from breathing toe heartbeat to the blinking of your eyes to the emotional cycles, the firing of neurons in our brain in different patterns, sleeping and waking. We have daily cycles. We have these circadian rhythm that's sleeping and waking, so we sleep for approximately eight hours and then we wake up and we're up for 16 hours. We also have another rhythm that's running outside of that big rhythm, and that's called the All Trade Ian Rhythm. The all trade in rhythm is the natural cycle of expending and recovering energy throughout the day. So the way it works is we get 90 to 120 minutes of feeling energized and focused and activated, and then we naturally go through a down period for 20 year, 30 minutes or so. This is a natural drop in energy now. Most of us have never learned about the cycle, and we don't honor the natural rhythm that we go through the rising and falling of energy throughout the day. So instead, what we do when our energy starts to fall, we try to power through or push through. Or worse, we go and eat some sugar. Or we have some caffeine in order to push ourselves through, because we think that once we get some rest, once we let ourselves relax, we'll never come back to work or hey, we might even feel bad for taking a break. But it turns out counter intuitively that when the natural drop of energy happens and we just relax for about 20 minutes, or so Chill out, zone out, go for a walk, meditate, lay down. Just relax. For 20 minutes, the energy cycle comes back by itself. Naturally, that's the trade in rhythm. So instead of relaxing, we wind up taxing. And if we keep not honoring our natural cycle of rising focus and energy, and then the natural period of downtime and recovery, eventually we burn ourselves out. And burnout is much harder to recover from than a natural, all trade IAM rhythm cycle of being a little bit tired after 90 or 120 minutes and then relaxing and then coming back. So we must learn to honor our body and its natural rhythm. So we have to make breaks a high priority, and we have to make breaks high quality by adding little mini breaks throughout the day in the form of high quality intentional breaks. We bring this power into our actual work experience, the power of rejuvenation. So when you do a break, make sure it's unplugged and make sure it's relaxed. This right here is one of those little things that contribute dramatically to doubling your focus, your results and the work you get done each day. This is how we double our focus. And it worked. What I found is that if you align your work in block of 2.5 hours 60 60 30 which is 60 minutes 60 minutes, 30 minutes, you can optimize your work breaks your relax ation and your focus. So here's how it works. First of all, you want a distractions and interruptions free environment. Switch off your phone long out of your social network account. Switch on the silent mode of your handphone, long out any instant messenger amps, etcetera, Then isolate yourself at your workplace. You should also tell your friends, your parents, your colleagues and anyone else that you're going to do and focus on your own stuff. Tell them not to disturb you. A no distractions environment is essential, and it will be able to double your focus and productivity. After creating a distractions and disruptions free environment, you need to prepare a timer. You don't need a fancy timer. It just needs to be able to set times and making alert. When the time is up, you can use a Web based timer or download time or absent your tablet or smartphone. Then prepare all tools and resource is that you need to use. So you'll not interrupt yourself to search for tools during working. And you choose only one task that give you the highest leverage for your important goals. Okay, now you have everything prepared. Firstly, you said a 60 minutes timer and that does something powerful. And put your system into just a focus ST once I set a timer. I know. Okay. I'm just gonna have this next hour to do this thing. The timers gonna go off. I have to worry about it. And I know that I won't forget. I won't work too long. I won't forget to stop and take my break. It's really, really powerful to use the timer. So during these 60 minutes, you want to focus entirely on the task you want to do. Don't let other distractions and interruptions influence you. For instance, during working, you feel a bit hungry. And then you start to think what you want to eat. So you stop working and think that you want to eat first before you work. See, that's how distraction occurs. You must be aware of yourself off all kinds of things that'll distract you. Focus 100% on your work. You only need to work for 60 minutes. When you deeply focus on your work, you'll get into the flow state. In other words, you enter the zone, you'll feel being one with work. Everything around you will be faded behind. You'll forget everything around you in the world on Lee left you and your work. Now, after working for 60 minutes, you can stop working and have a break. Set another five minutes timer for a short break. During these five minutes, relax as efficiently as you can. Don't check your smartphone. Don't check e mails. Don't think of what you have planned next. What you have to do next Completely relax. Grab a glass of water, close your eyes or do some quick stretching exercises. It should be a complete break from your work. Now, after your five minute break, repeat the cycle. Work for 60 minutes. Focus entirely on your work. After two complete sets of 60 60 cycles, we're gonna have a longer break for 30 minutes. This is a total unplug complete disconnection again, completely rejuvenate from your work. Maybe you may feel hungry. After working for two hours, you can take a small, highly nutritious meal, which riches and protein and good carbs. Or you may feel a bit tired. In this case, I suggest you take a 30 minute nap to restore your energy. So what should we do in these two hours? These two cycles of 60 minutes? We should do our highest value activities, the work that contributes the most to our success. For me, it's working on building my courses and working on marketing. These are my high lifetime value activities. The 20% that contribute 80% of the results that I get, and what's really important is that you want to start your work on your own agenda. Avoid getting caught up in message mania. And don't let others take you into their own reality. Do the high value work first. Okay, get yourself a timer. Plan your 60 60 30 rule right out what you're going to do and plan your 30 minute break. You should have your 60 60 30 session now, naturally wiring itself into your work. What you can do now is you can start adding another 60 60 30 after your first. It's kind of my philosophy that you get about four really good hours every day of just kind of peak energy, mental focus and effectiveness. This is how we double and multiply our focus and productivity, and this is how we get twice more done in a day than we get done right now.
9. Don't Fall Into The Trap of 'Always On': don't fall into the trap of always on Hi, I'm welcome to session number seven. By now, you should have created your ideal workspace and a super productive work schedule where you can stay focused and do highly productive work. You should also be clear about when you're working. Day begins and ends and take breaks to refresh. If, on the other hand, you cannot do the 60 60 30 because your type of work does not allow it. Then could you at least do 60 60 15? Could you work for an hour, take a five minute break, then work for an hour and take a 15 minute super rejuvenating break? You know, it's easy to let yourself be always on when you're home in office or the same place. But when your work is over, be sure to switch off to avoid burnout. Think about having core hours which people you work with or around are available for. You see one of the biggest challenges of working from home are in fact communication and coordination challenges to avoid these and to avoid it completely messing with your work schedule in routine, I suggest you agree ways of working make sure every team member is clear about how you'll work together remotely, how you'll keep each other updated and how frequently. Schedule weekly phone or video conference meetings with your most important teams. Check each team members progress toward their previously agreed upon to do's and goals at the end of each session. Agree on new objectives for each individual. And ask each responsible team member to repeat these back to make sure they fully understand them and, most importantly, developed expectations as to when you'll be available, as well as when you expect your team members and associates to be available. Moreover, one of the most powerful things you could do is to have a daily virtual huddle. This will help you keep being connected as a team. You'll be able to check in on each other's well being and keep workflow on track. It needn't be long, but regularity is the key. Try to schedule a daily virtual huddle towards noon or the end of your work schedule. It can take just 10 20 or 30 minutes, but it's so important as it will allow you and your team members to avoid any costly mistakes that come from miscommunications. In our next session, we'll take everything that we've learned over the past couple sessions, and we'll be designing your ideal work day. This right here is one of my favorite productivity's exercises, which will really help get you the most out of your work day. I really love this one here, and I think it will really help you create the life that you want. All right, see you there.
10. Designing Your Ideal Workday: designing your ideal work day Hi and welcome to our eighth video of our productive at home trading series in today's video will take everything that we've learned over the past couple of sessions, and we'll design your ideal work day. This right here is one of my favorite productivity exercises, which will really help you get the most out of your work day. I really love this one here, and I think that will help you create the life that you want. All right, let's get started. By now we've learned that one of the most important things we can do is to separate our work and personal lives. And the best and most effective way to do this is to set up a dedicated workspace where you could focus 100% on your work. Setting up a separate workspace that separate from your other rooms allows you to drastically decrease the amount of distractions that might have otherwise bothered and distracted you. Next, we've learned that to really get worked on work that really matters and work that will make the biggest difference at work and in our business is to schedule everything schedule when you'll work and when you take a break and really stick to it, if we don't stick to our previously agreed schedule, then we can get all distracted, and we then tend to mix up our professional and personal lives, which Onley leaves us feeling always on always in that feeling that we're spending our entire days working. This doesn't have to be your experience, so stick with the schedule. Moreover, you've already learned the power of the 60 60 30 rule and the important of taking breaks and how this contrast Igli increase our focus and the amount of things that we get done not letting us get distracted by email, text and social media notifications is also of great importance. Most importantly, we've learned how to avoid any miscommunications from arising and to agree ways of doing with our teams and co workers. All right, so now we're going to take this to another level further, and we're going to design your ideal work day. Think of this is your ideal work schedule, which will allow you to maximize your productivity and help you get the most out of your day, as we learned previously by designing our ideal workspace we want to think of our ideal work day in the same way. So here's what I want you to do for this exercise. How would your ideal workday look if it were perfect? How could you design and schedule your workday so that you'll get the most work done, but at the same time allow you to separate your work and personal lives, provide you with high quality breaks and make you so much happier at work? This exercise right here is ideal. If you own your own business, that allows you to set your own working hours. If, on the other hand, you work for a company with preset working hours, then trying to think of how you could design your ideal workday that still fits with your preset working hours. Okay, so let's create your most productive ideal work day right now. Take out your pen and paper now or your notebook. Download the PDF exercise called Designing Your Ideal Work Day and trying to think of how you could design your ideal work day. How would your ideal work they look like if it were perfect? And how could you incorporate the 60 60 30 rule into your schedule. Could you at least do a 60 60 15? Could you work for an hour, take a five minute break and then work for another hour and then take a 15 minute break, depending on your type of work and tasks? When could you design your brakes? And how could you make them as rejuvenating as possible? And how could you design your workday so that it will help you maximize your productivity and get you the most important things done? As an example, here's my ideal workday and has now become my actual daily work routine. I typically wake up at 7:30 a.m. I. Then a breakfast and meditate for 20 minutes to clear my mind. This helps we come up with great new business ideas and insights of how to best fix my current business problems and perfectly sets me up for another productive day. At approximately 8:30 a.m. I then unlocked the door and enter my home office and check the board for priority list of tasks that I've written down at the end of my previous work day at around 8 35 AM I then begin doing the first task on my list, no matter what it is. I work for around 90 minutes, and then at 10 05 I take a 30 minute break. I leave my home office and I completely rejuvenate. Usually, I take a walk outside and just try to enjoy looking at the nearby landscape, the mountains and nature in general. It's important here to note that I do not think about my work or business at that time. I don't worry about what I have to do next or what I'll be doing next week or so. I completely let go from work and around 10 35 I then come back completely refreshed and ready to work. I enter my home office and check my emails and other important notifications. This takes me around 20 minutes. I then proceed with my tasks and work another 70 minutes until my next 30 minute break. That means that it around noon, I leave my home office. I leave my devices there and I make myself a coffee and I just sit down and enjoy drinking it. At this time, I might socialized with my family members, and I probably also stretch my body after my second break. So at approximately 12 35 I then again enter my home office and work for another hour by 1:30 p.m. I have spent four really productive hours, and I've completed most of my tasks. There was nobody distracting me. There were no interruptions for my social media notifications, my emails or my family or neighbors at 1:30 p.m. I then take a longer break, which usually lasts until 4 p.m. At 1:30 p.m. I leave my workspace, and if lunch is already done, I then eat and socialize with my family members. Then I just relax on the sofa. I take out my phone and I check my social media notifications. I read some news, and I listen to some upbeat music, which helps me to completely relax at 3 p.m. I then watch a German television series that I really love watching. It ends at 4 p.m. Which is when I re enter my home office. I then check up with my team members and proceed, working till about six PM to finish off my day. I make a priority list on what I need to do tomorrow. I completely shut down my computer and leave my home office, and I do not enter it again till tomorrow. I then go into the kitchen, make myself something really tasty to eat and spend the remaining evening just relaxing, socializing and having fun by playing table tennis, my garage, watching a good movie or funny YouTube videos. So this is how my perfect ideal work day looks like by just closing my eyes for a few minutes and by visualizing how my day would look like if it were perfect. Of course. Still, taking into account my work in task responsibilities, I've managed to design and ultimately create a really close version of the life that I've always wanted. You know, very few people actually take the time to really think of how things would look like if they were perfect. But I think that this alone can become one of the most eye opening and powerful things that one can dio through designing it. And with the help of the tools and exercises inside this program, it's allowed me to save about three, sometimes even four hours of unproductive work a day time that I'm now able to spend on the things that I love, my hobbies, my family, you know, the things that I love doing, but not only that. It's also allowed me to get so much more done in a day than I've done previously. I'm so much more relaxed and clear minded now, and I kind of actually loved toe work. Now, you know, here's the thing. If we just took a couple of minutes and we closed our eyes and we trying to imagine how things would look if they were perfect, how much more likely will we be able to make that come true? So what's your ideal workday? How could you use everything that you've learned so far and design your workday in a way in which it would allow you to get super productive, get important things done, and yet help you rejuvenate and leave you with enough time to spend on your hobbies and your family and friends, and then take another level further and try to think of how your ideal day would look like . So after you stop working, how would your ideal evening look like? What would you be doing? So that it will give you the most amount of joy. Will you take your partner on a dinner date once per week? Will you go out and run for an hour? How was your day? Look like if it were perfect. And how could you incorporate that into your work schedule by doing this? And by using all you learned so far, this will not only make working from home actually work for you and your family, but much more than that, it will get you so much closer to actually loving working from home and building a life that you love. So do this exercise. Now, take at least 30 minutes to do this and then come back tomorrow for our final session. And most importantly, make sure you then actually stick to your ideal work day. And you know, it shouldn't be that hard as it should be. Is close to your ideal perfect day. It's possible. Okay. Talk to you soon.
11. Why Networking is Key & What To Do When You Feel Lonely Working From Home: why networking is key and what to do when you feel lonely. Working from home. Hi and welcome to session number nine. For most of us who are or who will be working from home, one of the biggest challenges we face is social isolation and loneliness. What I've learned is that it helps to simply anticipate this challenge and plan for social interaction outside of work and treated with the same level of importance as you would a business or investor meeting. If you just stay for yourself if you work from home and then you just stick to yourself during the remainder your day or of you on Li Air, act with your family for most of your time. Then I highly suggest you consider meeting up with nearby friends or colleagues for lunch, take classes of the gym or make dinner or happy hour plans. If you can't do that, then consider walks, hikes or other outdoor activities that you could do with a friend or colleague, which offer plenty of fun and relaxation in a traditional office setting, were always surrounded by people are co workers, team members and associates. Not so in working from home At the end of the day, we humans are social beings, and we need social contact and interaction, like meeting and hanging out with friends. And our loved ones, like fish, need water to breathe. You know, on the business side, working from home, whether as an entrepreneur or telecommuting employees makes it easy to disappear into your own little cocoon. That's why networking is crucial, especially for us, who will be, or who already are working from home at least once per two weeks or once a week, trying to organize a face to face 1 to 2 hour meeting with one of your partners, team members or longtime clients. Ideally, you want to meet up at least once per week for this. You know, having a daily virtual huddle can do wonders, but nothing can substitute meeting somebody in person. And let's do this now. When could you meet up with a fellow Kali team member or business partner? What day in time specifically? And who would you think would make the biggest positive impact on you if you scheduled a meeting with him or her? I want you to think of it and then take out your phone and call him or her today or tomorrow at the latest and just treat it as a relaxing activity. The goal of you meeting up with people is not to come up with a great new business idea or to solve problems at work. These things will happen automatically as a positive side effect. The number one goal for you is to simply socialized, laugh and connect with fellow human beings. It's the thing that we who work from home need and lack the most. So treat this with great importance and make sure you do it.
12. The Key to Becoming Productive Working From Home: the key to becoming productive, working from home Hi and welcome to our last and final video for our productive at home training series. Inside this training, we've learned that we need to separate our professional and personal lives at home. We want to make working from home, actually work for us and for our family. Most importantly, we've learned that we need to create a separate working space inside our house where we can completely focus on our work and avoid things and people who would otherwise distract us. That means no kids, no neighbors and no social media games and no news reading inside your home office. So have a separate space just for you and your work. And ideally, you would also want to have separate devices for business and home. Inside your home office, you're only allowed to work and get things done. We've also learned that how you look and dress really does make us feel totally different and makes us act differently. Based on what we hear, it could make a sharper, more productive and can get us to feel better about ourselves and helps us get more done next. We learned that when we finish work or when we take a break that we need to leave that working space and completely rejuvenate. That means you need to rejuvenate and take high quality breaks outside your workspace, so close or ideally locked the office door at the end of your workday and lock your business devices in the home office as you leave. High quality breaks are is important, in my opinion, as actually working, and we need to completely let go of work when we do it, and I mean completely no thinking about work or your business. No worrying about what you need to do next. Rejuvenating and after work hours are meant just for you and your personal life. Remember also the 60 60 30 rule and, if possible, don't work for more than two hours at once. Take a break ideally every 90 minutes or so, if you can. If not, consider at least taking a five or 10 minute break every hour or so. This alone will help you stay energized and productive throughout your entire workday. Also, leave the home office location when you take a break and completely rejuvenate. Don't think about your work or business but be fully present with your partner, your kids, and completely relax. Ideally, you'd want to take time in nature during your break, even if it is just for 20 or so minutes. Going another level further. Getting out of the Gray zone exercise has helped to separate our work and personal lives and has taught us how to actually become present outside of work and how to not mix our work and personal lives when we're off work, when we're socializing with our family, kids and friends, we lost a learned the power of taking notes and creating daily to do lists with our most important things to do on top. We create these at the end of our workday, which allows us to clear our mind and helps us relax and stops us from over thinking and worrying on what we should do next. On the next day, when we then proceed on working, we then look at our notes and to do list, and we do the most important things first. So do write a task list before you leave your home office and do the first task the next morning before checking emails or other work notifications. Now we lost a learned the 60 60 30 rule and the incredible power of having focused blocks of uninterrupted time toe work on our business or work. Also, don't forget to set virtual meetings once per day to communicate with your team to make sure you're all on the same page regarding your projects and goals. Lastly, we've also learned how to design are ideal workday, how to get the most out of our working hours and how to create a life that we actually love . And most importantly, we've learned to get out and connect with our friends and team members at least once a week when we work from home. Social contact is crucial to staying sane and happy. And this here is how we double and multiply our focus and productivity at home. This is how we create a much more enjoyable work life balance. And this is how we'll get twice more done in a day than we get done right now or if you prefer. This is how we get the same a lot of work done and just half the time that it takes us now . The exercise is perfect for business owners, but also works perfectly for people who have a flexible work at home schedule in case you're work schedules already fixed, Then I highly suggest that you still do this exercise and try to think of how you could use this at work. We're going to talk about prioritizing and particularly identifying and prioritizing the very highest value activities. Now most people think that prioritizing is about making a big list of things and then just doing the most important one first. But there's a lot more to prioritizing in this. So now we're going to do an exercise to identify the highest value activities that we can focus on to do in our lives and our businesses. And for this going download the pdf that you'll find on this website and printed out so we could do this exercise together. Okay, this is an exercise that I call the productivity pyramid, and I designed this exercise to really focus in and identify those activities in our lives that we're doing that are wasting our time, that are of very little value and those that are very, very high value that we might not think about but that we need to prioritize highly. Okay, look at the pyramid. It's built of four levels and the lowest level is what we might call zero value or negative value activities. The second level is low dollar per hour activities. The third level is high dollar per hour activities and then the pinnacle on the pyramid, those air, the high lifetime value activities. And this of course, is the most important one. Okay, so zero or negative value activities, low dollar per hour activities, high dollar per hour activities and then lifetime value activities. The reality is that a lot of the things we do in our lives infect For many of us, it's most of the things that we do. They have no value to us or they even have a negative value. They take value away. A lot of the things that we do are low dollar per hour value activities that we do it work , things like you, checking the mail and things that really aren't earning us anything. Then we have high dollar per hour activities. Those are the things that if we do them, if we invest in our and doing them, they bring us back high dollars immediately. These air typically activities like let's say, selling one on one to customers and then there's the high lifetime value activities. Now, the reason why it's important to think about this pinnacle these high lifetime value activities is because these air the activities that are going to bring you the most value in your life. These are the activities that you really want to focus on. But these are also the activities that you're going to have to discover on your own. They're not the activities that are gonna come after you, interestingly enough, those you know, zero or negative value activities the things that are just interruptions and firefighting and, you know, distractions and wasting time gossiping, eating junk food, those things that really have no value or they even take away value from us or the low dollar per hour activities. Those things. They're just busy work that we can easily outsource or weaken. Delegate to others. These things they show up, they come after us. They like they come looking for us. They come to us to take our attention. Where is the high value activities? These activities we have to seek out. Okay. What I'd like you to do is you might pause the video for a couple minutes here and list 3 to 5 activities in each area. What are the top 3 to 5 activities that you're currently doing at each level? So what are the 3 to 5 activities that you're doing in your life that are zero or negative value. What are 3 to 5 activities that you do in your life that are low dollar per hour value? What are 3 to 5 activities that you do that our high dollar per hour value the ones that you earn high dollars per hour when you do them, and then what are 3 to 5 activities that are high lifetime value? And these would be things like maybe creating a new product that you're going to sell for 20 years or launching a new company or, you know, doing exercise to make yourself healthier. So make a list of the top 3 to 5 high lifetime value activities that you do, and then once you're done with that, come back here, restart the video and we'll go to the next level. Okay, So as you can see, what we really want to do is obvious. We're going to work at the higher levels of the pyramid. These levels, these higher to levels, is where all the leverages in our lives and our business these air what we might call the meta priorities that lead to all the success in the long term. But again, we must be proactive here. These air, not activities that will show up his urgent. They don't come looking for us. These are what we must design into our day. The reason that this exercise here is so important is that these priorities they change and they evolve with you. These will actually change as you progress through life and your work. And what we need to do is we must continually identify every several months the new things at the top of the pyramid that are emerging, and then do them. Now there's a rule called the Pareto principle. The 80 20 rule 20% of the effort produces 80% of the results in any system, and 80% of the effort produces 20% of the results. This principle comes from Wilfredo Pareto. He went out into his garden and he noticed that there was a tomato plant and it was producing a lot of tomatoes. But the one right next to it wasn't and he realized that in the garden 80% of the vegetables air produced by 20% of the plants. And if you go into a big company, for example, and you go into the sales department, you'll find that the top 20% of sales people are making 80% of the sales, and you can literally find this rule everywhere you look. Now, if you want to get to know more about this phenomena, I highly recommend you Google it. But for now, try to find which 20% of your activities contribute 80% of your results and then do that and delegate or outsource the other 80%. Okay, go back through your productivity pyramid. Make sure you've got 3 to 5 items at each level of your pyramid, and then what I'd like you to do is figure out how to either get rid off. Just stop doing or delegate as many of the things as you can in the bottom two levels of the pyramid. This way, you can prioritize the high dollar per hour activities and high lifetime value activities, and really get laser focus on the activities that most contribute to your results and your success in life.
