Using Zoom as a Presenter is designed to teach students how to use the functions available to them as the Host of a Zoom meeting. Zoom is a cloud-based video conferencing service that allows teams to virtually meet and collaborate across multiple devices. It provides both audio and video calling, content sharing, live chat, and several other features that allow meeting participants to easily communicate and share information in a variety of ways. This course will provide a comprehensive overview of the Host experience using Zoom, including creating meetings, both through the desktop app and on the Zoom website, as well as working with views and navigating the Zoom interface. It will also cover how to manage participants, utilize meeting chat, share content, and use additional features to optimize the host experience. 1. Introduction: In this course, we'll go over everything you need to know to use the Zoom video conferencing software to host meetings. Now we'll cover how to do audio and video calls, share content and so much more. We'll get started with creating meetings and the Zoom desktop app. And then we'll go into creating them through the Zoom website. It's a slightly different experience with different options available. Then we'll move into getting started with Zoom, will talk about working with views, navigating the Zoom interface, and pinning and spotlighting videos as needed. Then we'll move into and some of those more in-depth functions, managing participants, what you can do with people in a meeting to rename them or move them around as needed. Then we'll talk about utilizing poles. Now this is a great way to ask questions within a meeting and go get quick responses. Then we'll talk about using meeting chat. Now, this is another way to communicate within the meeting. You can have people send text messages and even share files during the meeting so that they don't have to unmute themselves and speak up while you're presenting. Then you can share content in a meeting, which is all about sharing your screen, a whiteboard, or even audio and video as needed. We'll then go into some additional features like recording meetings, reacting to a meeting, and even using a waiting room to manage your participants as they come into your meeting. Then we'll talk about utilizing breakout rooms. These are great feature if you need to split people up into different groups to work together, there'll basically get their own meetings within the beating where they can interact together privately. And then last but not least, we'll go over working with settings so you know how to test your audio and video and optimize it for your needs, adjust more general settings, and then also some security options that you can change as needed to ensure your meeting is set up as prop as needed. 2. Starting an Instant Meeting in the Zoom App: Now we're going to show you a few different ways that you can create meetings through Zoom. But to start, we're really focused on creating meetings in the desktop app and in this video, creating an instant meeting specifically now this is going to create a meaning right there on the spot that's going to launch as soon as you actually create it. So to start, we're in the Zoom desktop app. If you haven't downloaded it, definitely go to the Zoom website and download it as that's what's going to be running your meanings. And when you log into your Zoom account through the app, you're gonna see this interface here. So you're going to see these meeting creation buttons right here. And then on the right-hand side you'll see the date and time and any upcoming meetings you have scheduled for that day. So we don't have any scheduled meetings. We want to launch a new meeting. So we're just going to click that New Meeting button right now. Now when you click it, you'll see it immediately starts a brand new meeting and has you in there front-and-center. Now, it's going to start out with just you in that meeting because it was an instant meeting created on the spot, not going to give you the option to invite any people when you are launching it. So you, in order to invite people to that meeting, you're going to want to click participants here. It's going to show you the participants list in the meeting. So you can see it's pretty lonely and we'll go into this in more detail later in the course, this interface. But for now we're just really focused on getting people into this meeting. So that du, so you want to go down to the bottom here and click Invite. Now that's going to open a little pop-up window. Took a minute. And then it will immediately show you any contacts you have within your Zoom organizations that you can quickly select someone and invite them if you Blake, or you can go ahead and click email. Now that's going to give you a couple of e-mail client options. And when you click that, it's going to launch the email application and actually create an e-mail with the meeting details with the invite link. And if you have it enabled the call in details. So you can just go ahead and create that email like you would any other enter in all the recipients and then send it off to the people. You'd like to invite. Couple other options along the bottom here, you can copy the invite link, so that's just going to be the web link to launch the meeting. So that's great if you want to say invite people over Slack or teams can go ahead and copy that link, pop it right in the chat, and they can join right from there. Another great option is to copy the invitation. Now that's not only going to include the link, but also the colon details. So say someone needs to call in over the phone. That invitation that you copied will include that information. So no matter how you're doing it, once you're ready, you just invite those people and then you are good to go. They will join in and you'll see them show up in that participants list. 3. Scheduling a Meeting in the Zoom App: Say, you don't want to start an instant meeting where you're inviting people on the fly and waiting for them to filter in. If you'd rather schedule a meeting at a set time and date, you can go ahead and do that through the Zoom interface as well. So this time we're going to click that schedule icon. And you'll see right here we have this popup, pop up box where we can fill in all of our meeting details. So this isn't actually Pam's. This is Ellen's. So you can go ahead and change the title. Say you want to do a marketing presentation and you can put that in the title, then you're going to select your date and time and the duration. Now note, if you're a licensed user, you can do pretty much any duration, as you can see here. But if you're a free user, you're going to be limited to 40 minutes of time, so just be mindful of that when creating a meeting. What your limitations are. Now you also have the option to select recurring meeting. So say you're marketing team is meeting every Tuesday at two o'clock, you can go ahead and make that recurring. If it's a team touch base, what have you, you can click Recurring and then it's going to kind of change your interface a little bit there. So in this case though, it's just a onetime meeting that I want to set up, so I'm not going to tick that box. And then you have this option here, meeting ID. You can have the system generated automatically or use what's called a personal meeting ID. We'll get into that more in the next meeting, but basically it's just a number that's assigned to you. It's your meeting ID that's specific to you. Next up security. Now you're going to have to choose at least one of these options when creating a meeting to just make sure that it's more security to see if I untick passcode. It's going to tell me I need to select one. So a passcode is I'm just a key of numbers that someone will have to enter to join the meeting. You can also enable a waiting room, which again we'll go over in more detail later. But basically it's going to have any participants that try to join, basically put on hold until you as the host, opt to either admit them or remove them from the meeting. And then also lasts. You have only authenticated users can join, so they must sign in. They must have a Zoom account to be able to join. Next options you can toggle, host video on her offer, participant videos on or off as they join. So if you want to make sure everyone's in on camera on Mike, you can do that. Or if you want people to be silenced as they're coming into a meeting, you can mute them so that they're not being disruptive as they join. Then you can choose your audio settings. And if you have a calendar link to you can actually choose which calendar you'd like to use so that it shows up on your calendar. So once you click those settings, you can also click Advanced Options if you want to get in more detail with it. But once you have everything all set, you just click Save, and that is going to create your scheduled meeting. 4. Using a Personal Meeting Room in the Zoom App: So a feature we touched on briefly in a previous video is the personal meeting ID. Now what this is is it's really a personalized waiting room that is specific to your user account. So no one else is going to have that meeting ID or be able to use it. So if you want to set up meetings that use that instead of a randomly generated meaning ID, you are absolutely welcome to. So the way to do that is if you want to schedule a new meeting, instead of just clicking that icon right there, you'll click the arrow next to it. Now, you can then choose use my personal meeting ID. And that will launch you into a meeting instantly, but it will have your specific ID attached. You can also, when scheduling a meeting, you can click schedule. And as we touched on before, you can, instead of generating the meeting ID automatically, you can select Personal Meeting ID, so you have that option in both scheduling features. Now, if you want to adjust your personal meeting ID sec settings, you can do that again, click this arrow, and instead you're going to go down to the bottom. You'll see your ID, and then you'll want to click PMI settings. So when you click that, you're going to be able to adjust your security settings, your video settings, audio and video, and your advanced options. So once you have that the way you want it, you just click Save and it's going to save those settings for any future meetings you create with your personal meeting ID. 5. Starting an Instant Meeting on the Zoom Website: Now I'm going to show you how to create meetings using the Zoom website. Now, a lot of times it's interesting, a lot of times the desktop app is what has the most functionality. But in Zoom's case, you actually have more functionality available in terms of creating and editing meetings on their actual website. So this is an option if you want to get more detailed in your meeting creation or editing, you'll, you might want to go to Zoom, the Zoom site instead of the desktop app. So what you wanna do is go to zoom dot us and then login. Now it should bring you right to the My Account page, which is where I am and default to meetings. But if not, just click my account in the upper right and then click meetings in this left side menu. So once you're on the meetings page, it's going to show you any of your upcoming meetings. You can view your previous meetings, your personal room, and any meeting templates that you might have available. But really up top here is where you want to look up in the upper right, you can host an instant meeting by clicking host a meeting and then choosing which option you like. So you could go video off, video on, or even just screenshare only. So in this case, I'm gonna go ahead and click video on y naught. So you'll see here that it redirects you to the Zoom launch page. And you'll just want to click Open Zoom meetings to launch your app and launch the meeting. Now if you don't have the zoom app at this point, totally fine, but you're gonna need it to open the meeting. So you'll just want to go down here and click Download Now next to don't have the Zoom Client installed, then it's going to install the application for you download it and install it so that you can launch that meeting. But in this case, again, I just need to click Open Zoom meetings. And it's going to open that meeting for me right there. Now, depending if this is your first time using it or what settings you have set up, you might get a little pop-up that says join with computer audio. So that's just going to see what preferences you want for your audio. You can also test it through that menu. But I selected the box. I'm not saying I don't need that to pop up every time and then I just want to join with my computer audio so you can do that too. It's easy, I promise. So once you're in that meeting, this is an instant meetings similar to what we did through the app. So you'll need to invite those participants. So again, just reminder, click that participants button along the bottom, click Invite and select your desired option either through your contact's e-mail or copying the link or invitation. 6. Scheduling a Meeting on the Zoom Website: So let's say you actually want to schedule a meeting instead of starting an instant meaning through the website. So to do that, you're going to go back to that meetings page that we were just on. But instead of clicking host a meeting at the top, you can click Schedule a Meeting there, or you can click Schedule a Meeting slightly further down here. So either one, it's going to bring you to the meeting scheduling page and you're just going to fill out that information. You can give it a title. My meeting. Sure. Why not? Selected date and time, the duration, whether it's recurring or and some other details. So now you'll see here what gave me pause is we've got this additional option here saying require registration, which we didn't have on the Zoom desktop app. So you'll notice as I mentioned, that there's just a little more functionality available here. So if you want to require that your users, your participants register in advance, you can go ahead and check that box. Not necessary for me here, so I'm going to leave it. But then you have your meeting ID. And again, you can select a template which is different from through the app. And then you have your security settings, video and audio, and then those further meeting options. So you can also add an alternative host here if you wanted. But really it's up to you how you'd like to do that. You would just add the username or email address if you wanted to add an alternative hosts. So once you're all set with that, you're just going to click Save. And that's going to create that meeting for you. 7. Using a Personal Meeting Room on the Zoom Website: Now, similar to through the desktop client, you've also got the option to use your personal meeting ID when scheduling a meeting through the Zoom website. You don't have it if you want to host a meeting on the spot. So if you wanna do a quick meeting through your personal meeting ID, you'll want to use the Zoom desktop app. In this case, for online, you'll, the way you'll do is you'll schedule a meeting. So when you click schedule, you'll see here that on the meeting, in the meeting ID section, you have personal meeting ID. So you'll just want to select that and adjust all your other settings as you normally would. And then when you're ready, just click Save, and it will save it to use your personal meeting room instead of one that's randomly generated. 8. Working with Views: Once you've started a meeting, it's important to understand how to work with the views that are available to you so that you can set up your display in the way that works best for you. So when you start a meeting, whether scheduled or instant, you're going to see the default is speaker view. So what that means is really it's going to put someone front-and-center. But then the view is dynamic, so it's going to change based on who is speaking. So as the host, all of their users are going to see me front and center as their main video. But if someone else in the meeting were to speak, they would be put front-and-center in this main video here. And I would be moved up top to these thumbnails. Now I'm in the thumbnails because I'm the host OS seat. We had met during the meeting with his video and he's front and center. So now if my other Zoom account here was going to start talking, then that would replace maths video because he's not speaking at the moment. But really any other participants are going to show up along the top here in this thumbnail view. And if there were more people and then could fit on this display, you'd see some arrows. So you'd be able to click that arrow and move over to see those other people who are in the meeting. Now say you want to switch your view. Say you want to see everyone in the meeting all at once. You can go ahead to the upper right here and click view. And when you click that, you'll see a small menu here. And you can go ahead and select Gallery View. And now you see here it's going to show equal-size tiles of each person who's in the meeting, up to either 25 or 49 participants. Now that number depends on what type of account you have. If you're a free user, the max you have for gallery view is 25. But as the hosting, you're probably most likely a licensed user, which means you have the option to have up to 49 people in that gallery view at once. Again, if you max out that number, you're going to have arrows available. So you can toggle over to see the rest of the people in that meeting. Couple other options for you here. When you click view, these are the two main different views you have, but you can also enter into full screen. So when I click that here, you'll see it just takes up my whole screen. So that Zoom is really the only window you see. So with gallery view, pretty much the same, just kind of eliminating some of those extra bars and things around the outside. But if I switch to speaker view, you'll see that it is slightly different. So again, you have that main speaker in the window. But then on the side here you have this kind of tile of thumbnail images. So this is great. You can still see the speaker in that main frame, but you can still see other users along the side. And these thumbnail images, you do still have a couple options. You can only, you can show a small active speaker window. You can hide the thumbnail video so entirely up to you. But it's a nice little option there in full-screen mode. Now one other option that isn't actually in this menu, you can click View again to exit full screen. All right, so that last option is if you actually decide to minimize the Zoom window, you'll see here it goes to a tiny little thumbnail video in speaker view in this case. So this is great if you're in a meeting and you need to switch over to a document. Say you need to gather some info to discuss in the meeting. You can go ahead, minimize the window, but you'll still be able to see what's going on in that small thumbnail. When you're done and ready to return to the meeting, you just click this little icon here to exit the minimized window. And there you go. It goes back to that full meeting veal. 9. Pinning and Spotlighting Video: So there are actually a couple of different ways you can manipulate your view in Zoom further. First up, you have the option to pin video. Now this is something that's only going to affect your view and not the other viewers. So say someone is speaking in the meaning and you really want to focus on that person. You could go ahead and pin their video so that it goes to this main view here. It basically overrides speaker view and puts that person front and center no matter who is speaking. So to do that, you just want to hover over the person who's video you want to pin. We'll go with my other angle here. And you can click these three dots here, which in general just kinda mean more options. Now you have some other functions you can do here if you want to ask them to unmute, stop their video, things like that, all sorts of cool things there. But really the one we are concerned with here is pinning their video. So when you click pin, you'll see here it instantly changes to that video being front and center. Now it even though I'm speaking or even if Matt decided to unmute and speak, it wouldn't matter. This video is what's going to stay front-and-center until I unpin it. So, you know, it's something great if you want to focus on a particular person who's speaking or presenting or what have you in a meeting, but they're not front and center for you for whatever reason, you can go ahead and pin that video to affect your view and only your view. So when you're done, you're just gonna go ahead and click Remove pin. And that's going to unpin that video and bring you back to the view you have it set at. So in this case, speaker view. If you were on gallery, it would go back to gallery. Now, the next feature that you have available as a host is what's called spotlighting a video. Now this is really great because it, unlike pinning, It's going to affect all of the users view instead of just your own. So in order for spotlighting to be available, you need to have at least three users on using their video in the meeting. So it's a bit specific, but because you're putting a video front and center for everyone, there need to be kind of enough, uh, users on video to make that function work. So in this case, Matt was kind enough to put his video on so we can demo it for you. So same idea. You're just going to hover over the video that you want to feature. Click the More Options button there, and then you'll see here now we have the spotlight for everyone option. So again, it calls out right there that this is going to affect every person in the meeting. When I go ahead and click that, it's putting my video front-and-center on every single computer of every person in this meeting so that they have to focus. So this is great. If someone is speaking, giving a speech of presentation, things like that as the host, you can make sure that everyone is seeing that person front and centers so that they can really focus on that presentation. So something to definitely play with as you're scheduling meetings and working with meetings to use these functions as needed. When you're done similar depending you're just going to click that remove spotlight in the upper left and it will go back to your original view. 10. Navigating Zoom: Now that we are in a meeting, we've got our all our view setup. We've got video pinned or spotlighted as needed. Let's talk about the actual controls in a Zoom meeting. So the main functions are all along the bottom here in a menu bar. And to start, you have in the left-hand corner this microphone icon, which is going to mute or unmute your audio. Next to that is the video icon. Same idea. You can turn on or off your video as needed. Moving along to the center here, these are kind of the main controls that you'll use in a meeting. First up, we have security. Now this is going to be a menu of all different security options and permissions you can allow or disallow during a meeting. Next up is the participants list. This is going to show you all of the participants in the meeting and give you some controls for managing those participants. Next up is poles. Now, this is a function that you can use to generate a quick poll to use in your meeting. You can either create them in advance or within the meeting to quickly pull your audience and ask them simple questions. Next up is chat. Now, this is in meeting chat that you can use to message back and forth with members of the meeting. You can either message all participants at once or private message individuals during the meeting. Next is share screen. You can share either your desktop, a specific window, or even a whiteboard during the meeting to further kind of collaborate and share information. Next is recording the meeting. Now this is just that you can record the meeting so that you can access it at a later date. You can either save it to your device or to the Cloud as a licensed user. So that you can go back and re-watch the meaning and use it as needed, share it as needed. Then we have breakout rooms. Now these are great function. This allows you to essentially split your meeting into different rooms and move users into those rooms. That they're, only, they're interacting with the other participants in that room. It, it's essentially private meetings within a meeting. So you can break your group up into discussion groups, things like that, and then bring them back to the general meeting when that's done. And then we have reactions. This is where you are participants of the meeting, can give quick nonverbal feedback in the meeting in the form of emojis or icons to kind of let you and others know their status in the meeting. Then you've got this more option for more options. And really, the only thing we have there is going live, which is kind of a special function that you want need to use in a general meeting. And then last but not least, you have the End button here on the right-hand side. Now, when you click that as the host, you're going to get two different options. You can either leave the meeting, just yourself or you can end the meeting for everyone. Ending the meeting for everyone is going to do just that. It's going to shut it down right there. Notify the users. But the meeting will be completely over. If you leave the meeting, you can actually assign a new hosts to kind of take over since you'll be out and won't be able to control it any longer. 11. Inviting Others During a Meeting: We touched on this before when we were talking about creating a meeting on the spot. But I think it's important to really go over how to invite someone to a meeting when that meeting's already started. So as you can see here, I've clicked participants and open to this participant menu. So say you're getting things started and you realize someone's missing. And you really want to invite them and have them here in this meeting. To do that, you're just going to scroll to the bottom of this list and click Invite. Now again, same window pops up is before you've got your contacts available. If you have Zoom contacts and you can select one of them, or you can go ahead and click email and send out a quick email, an invitation. Now since the meetings already in progress, it will actually give that that notification that someone via email. It will say, you know, Ellen Wilson is requesting that you join this meeting in progress. So it does give that sense of urgency. But I think, especially if it's someone within your organization that you're in contact with, this is a great opportunity to use that copy invite link, where you can just copy that link and shoot them a message on your messaging service Teams Slack whatever you use, so you can get that to them right there. Hey, sorry, I forgot to invite you to this meeting. Would really love you to join. Here's the invite link. So just a few quick options to add people on the fly to a meeting if you realize that they're needed. 12. Managing Participants: Now in a meeting, human needs to do more than just invite someone to a meeting. You may need to kind of manage your participants in a different way. So to do that, we're going to open that participants menu by clicking the icon. And you'll see everyone in that meeting in a list here. Now, you'll see a few kind of Quick Info things here. You'll see their display name and then you'll see whether their microphone and their cameras are on or off. And when someone's microphone is on, it will be gray instead of red with that slash through it. And it will also move as someone is speaking. So if my microphone we're on and I was being quiet, you would just see kind of a stationary microphone. But here it's moving up and down because I'm, I'm speaking. Now you have a few other options as the host. So first up, you can hover over your own name to see a few options. So you can mute yourself here in the Participants menu instead of down using that microphone icon in the lower left. And then you can also click more to see what options you have available. So here I can rename myself if I wanted to change my presentation name, say I wanted to take off my last name. I could click Rename and do that quickly here. Now, you also have some functionality for the participants in a meeting that you can utilize. So in this case, since these two people are self muted, you can't unmute them, but you can ask them to unmute. So you can go ahead and click that to send them a little notification saying the host is asking you to unmute. Now if their microphones were on, you would have the option to mute them. So say someone doesn't realize there unmuted and you can't get their attention. You can go ahead and mute them. Here in the participants list. You also have the more options, so you can click that and see you've actually got a considerable amount of options here, instead of just the Rename on yourself so you can send them a chat right here. It's going to, if you click that, it'll open the chat window and you can send them a direct message. You can ask them to start their video, pin their video. You can make them a host or a co-host, rename them all these different things you can allow them to record. Which is something as the host, you have to allow someone to do things like that. So you definitely have more functionality here to manage your participants. You can even put them in a waiting room, which is kind of a holding area where you have to admit them from. So definitely and you can also remove them or report them if you need to. So lots of options available there. Should you mean to kind of manage your participants in a very particular way? Now at the bottom here you also have the Mu, all functions. So say you're presenting and you want everyone's microphones off, but you don't want to deal with having to just say, Can everyone please mute themselves and wait for everyone to do so? You can go ahead and mute all microphone's with the click of that button. Then you can unmute them all or they can request to be unmuted if need be at a certain time. You also have the more options here. So you can ask all to unmute, mute participants upon entry, all sorts of different options here, depending on what you're looking for in your meetings. So again, certainly something to familiarize yourself with. Kind of learn what you like as your preferences so that you can adjust them as needed in your meeting through the participants list. 13. Creating Polls in the Desktop App: So now let's talk about one of my favorite features you can utilize as a host, pulling. There's a few ways you can go about creating polls to use in your meetings. First up, we're going to talk about how to do it in the desktop app. So this way you can't create the poll in advance. You have to create it in the meeting. To do so, you're just going to click the poll icon there, and it's going to open this little pop-up here. Now, what you need to do at this point is click Add a Question and it's going to bring you to your account page in Zoom. I'm not sure why it's grayed out here. Oh, there we go. Because the pop-up is just a little low. So now it's going to have you fill out what you want for the pull so you can give it a title. Let's say. We're going to ask people what their favorite season is. So you can give it a title and then add a question. And then you can fill in the answer. So you can also opt single choice or multiple choice. So say you want to ask people, you know, what are the top three things you like about working here, you can give them a whole long list of up to ten options and allow them to select multiple options if you wanted to. In this case, since we just want to know if someone's favorite thing, we're gonna go, single choice. So alright, so simple question, it's all set. You can set it to be anonymous if you are asking me via more sensitive question and you want people's honest opinions. You might want to toggle on the anonymous features so that way you don't know who's I'm submitting what answer. That's a great way to help people feel a little more comfortable with submitting an honest response to some of those kind of touchy questions in this case, obviously not really a tough one. So we're just going to leave that as not anonymous. So and then you have the option at the bottom here to add a question. If you want to add some other questions to your poll, you can go ahead and do so, or you can click Save. Now when you click Save, it does just that. You're going to want to toggle back to your meeting. And then you can see here I'm still in that polling menu and now it's populated with my pool. 14. Creating Polls on the Zoom Website: Say you want to create a poll for a meeting in advance, you can absolutely do that, but you need to do it through the Zoom website. So in order to do that, you'll want to log in to zoom dot us and toggle to the meetings page under your account. So here I am in our meetings page and you can see the upcoming meeting them I have here. This is where I want to add my poll. So I'm just going to click into that meeting. And if you scroll to the very bottom of the page, you'll see the poll section. Now actually what's interesting here is in a previous video, I created a poll in the meeting itself, and now it's showing up here in the meetings deep meeting details page online. So I have that one poll, but I can also go ahead and add another poll. So I can click the Add poll button here. And it's going to come up with that same pop-up menu where you can type in your question. So title here, I'm going to ask favorite day of the week. All right, now, I'm not going to go into every day here because first off, whose favorite day is Monday anyway, I'm just going to give us Friday, Saturday, and Sunday because I think most people would probably agree those are up there on the list. So we're going to create that as our poll. So again, you can add another question, market as anonymous if you don't want to see the recipients. Or you can go ahead and click Save when you're ready. So now you'll see here down at the bottom, I've got two poles available. You can go ahead and create more if you'd like to. So you can create separate poles to launch at different times, or you can just create one pole with multiple questions, really depends on what you're looking for. But once you have all of your pulse created in advance, when you are in that meeting, like I am now, when you click Polls, you'll see the polling menu here. And first off, it's going to show you the poll number one. But if you want to toggle to another one, you just click that arrow. And then it's going to show you your list of all of the available polls. And the next video we'll talk about actually launching a poll and seeing the results. 15. Launching a Poll: So now that we've created all of our poles, let's talk about actually launching them to your participants. So again, you're going to open that pulls menu by clicking the icon. And you'll see your first poll that you created. But then you can toggle. If you have other polls that you made, you can click that little down arrow and select the poll you'd like to do. So let's say I actually want to start with favorite day of week. When I'm ready to launch that poll, I'm just going to click that Launch Polling button. And it is going to put it out there for the audience, they'll see a similar interface, but instead of these percentages here with these bars, they'll just see the options and they'll get to select their answer and submit it. So you'll see here I've already got a response and it comes through and I can view that poll answer right there. So when I've gotten all of the responses I wanted, I can go ahead and click end polling. And it's going to show me the final results. Now you have a few options here. You can either share your results which will show them to the people in the meeting. You can relaunch the polling, which will actually erase all of the responses you've gotten so far and launch the poll from fresh. So be careful if, if be mindful, if you really want to use that function. If you want to gather that information from others who didn't get the chance to respond, I'd actually recommend creating a new poll with the same question and answers and launching that to get the additional data you need, instead of deleting and starting completely over, unless that's what you wanna do. So when you're done with that, you can Go ahead and x out. But in this case I have another poll that I want to launch. So again, just gonna click that down arrow, click my other pole, and then I will launch that poll. So same thing. Users are going to have that come up on their screen in a popup, They're gonna get to select their desired response. And then I can end the polling when I'm ready. So now I've got the results here. And I can toggle over to my other pull there to see those responses as well. When you're done sharing results or not, you can just click the X on the top of poles or click the poles icon again. Now click the X on the top of poles and that will close it right out. 16. Working with Chat: Now let's talk about chatting in a meeting. In meeting chat is a great function to use to quickly fire off messages to your participants or for them to ask you questions without having to interrupt your presentation. So to use chat, just click that icon. And it's going to open chat in the side menu here. So you'll have the message box along the bottom, and this is where you can send your messages. So first up, you're going to select the recipient. It'll default to everyone if you have that enabled, which means it will send a public message that everyone within the meeting can see. Otherwise, you can click the arrow next to that and select a specific person to direct message. So again, this really depends on the settings you have setup as the host, you can disable public messages to everyone and make it only private. You can make it that people can only private lead message you as the host. Lots of different options there, so set it to whatever you would like for your meeting. But in this case, I'm just going to send a message to the group. Okay? So you type your message and that message box there. And then when you're ready, click Enter to send really straightforward functionality. And then it will populate in the top here and any responses that come through will be listed underneath. So yeah, Matt sent me a response and you can see it right here. Couple other options with chat is you could actually share files as well. Should you need to see, you just want to click this little file icon. And you'll see here you have a pretty robust menu of options. So you can integrate, Zoom with a number of file-sharing services if you so choose. So what you can do is click one of these options and if you have it setup, it will launch it in a browser window where you can just select your files. And if you don't have it linked yet, when you click that, it will still redirect you to a browser and give you prompts to set up that file-sharing. So really, it will just, you'll just have to say, okay, I wanna do this and then allow them the permissions they need. And you will be set up to share files through that service as long as you have an account. Now you also have the option to share locally from your computer, which is what I'm going to select here. And then I'm going to select what I want to choose. We'll go with Ethan's profile picture kinda of my share file of choice. So and you can see here it is shared with the chat group. And you can click to open that file right from the chat. Now that we have a chat conversation going here, you're also going to have options in the More menu, so I'm going to click that. So the Save Chat function is only available when you have actual messages in the chat. So once you have those, you can click Save Chat and it will save that file that you can reference later. So I did that and you can see, you can click Show in folder to see where that file was saved. Now the other options that you have available as the host or deciding who people can chat with in a meeting. So you'll see here, you can disable chat, complete the make it so that they can only speak with you, the host, and make it so that they can only speak publicly, or that everyone can speak publicly indirectly. So this means if, if you have it publicly indirectly, it means users can, participants can chat with each other without you being able to see it. Or they can direct message you, as well as the public chat. So just be mindful that whatever you'd like to allow or disallow within your meeting. And definitely be sure to set that if you want to kind of limit people's settings, be sure to set that in the beginning of the meeting to make sure that it's it's how you want it. 17. Sharing your Screen: Now let's talk about sharing your screen in a meeting as the host, you're going to have a lot of sharing functionality is available. And you can also allow or disallow your participants abilities to share, because most likely as the host, you'll probably be the one sharing content. Now to do so, you want to toggle to that bottom menu and click the green share screen icon. Now you'll see here you have a few different options. Generally, you're going to have the ability to share your entire desktop, which is great if you're switching between multiple applications, say you've got Slideshow and an Excel spreadsheet that you want to reference. So if you're toggling between those two different things, you might want to select Desktop so that users can see as you're jumping between the programs. Now, it is important to be mindful of what you have open when sharing your entire desktop though, because people are going to see everything that's open. So make sure you don't have any sensitive information open or really anything you don't want your participants to see. Now, the other option you have available here is to share a specific window or application or file. Even. So, this means that you're only going to share that very specific program or a file. And that no matter if you toggle somewhere else, users will only see that item that you selected to share. So in this case, I'm going to click on this Word document. I have open and click Share. Now that's going to open that document and the sharing menu. So this document is now what's going to appear on every participant screen. And then you will have these controls up top here as the host. So your microphone and camera options are still there. You still have security. To adjust those security settings if you need. You can toggle that participants window open in the form of a pop-up. You can still access your polls. So say you wanted to pull the group about the document or item you're sharing. You can go ahead and open the polls menu and launch a poll. You can create a new share if there's something else you want to share, instead, pause the share which would go back to your video view until you start this again. Annotate if you want to mark up the document, say you want to really emphasize certain elements, you can go ahead and do that. Or you can grant remote control if you wanted to allow another user to navigate and you know, access the document through your share. So once you're done with that, you can go ahead and click stop share. And it's going to bring you back to that standard meeting view. 18. Advanced File Sharing: Now along with screen-sharing and sharing a whiteboard, you've actually got some kind of more advanced sharing options available to you in Zoom. So to access those same as we've done with the other functions, you're just going to click that green screen-share button to open your menu. Now, you'll see those standard options available here. But if you click Advanced, you're going to have a couple of other options available. So the main ones are computer, audio and video. So say you want to do a presentation with music. Now if you were to just share your screen, your audio wouldn't come through appropriately if you were playing that music. The best option here is to click Computer Audio and click share. And that is going to make it so that whatever you're playing on your computer is actually playing through Zoom for all of your participants. So it's just going to be a cleaner, clearer experience. It's going to play straight through their computers. They can hear it. And kind of the optimal way. So once you click that and click Share, you're gonna open whatever music player you have that you want to use and just click Play. And the users, the participants will be able to hear that sound. Now, you will be able to hear it as well. So you'll want to adjust your volume levels. You might need to turn the music player itself down on your computer to kind of adjust those levels to make sure that you can hear everyone and they can hear you. But it's a really great option to share audio in kind of the best way possible in a meeting. Next step, you have video, you can click video and you'll see here it's going to select down at the bottom, share sound and optimize video. So you can. So that's going to be the same thing. You'll click Share. And then if you have a video file on your computer, you're going to open that up and play it through your video player. And it will share on people's screens and, you know, kind of have the best quality possible for them so that it's not like they're kind of watching it in sort of a removed or poor quality manner. Now, the same thing goes if you're, say you're sharing a browser window with a video playing, say you're on YouTube or something, you would just, you'd select that browser window and then you would click optimized for video and share sound so that the video sound and, and quality would come through When you're sharing that browser. So next, up, along with the ability to share audio and video, you can also actually share files in Zoom. So along that top menu, you're going to click Files. And this is going to bring up your option to select a file-sharing program. So here you don't have the option to share a local file. It's got to be through kind of a cloud-based file-sharing service. And you'll need to have it linked to your Zoom account. So if it's already linked, whenever you click that service, it's going to launch a browser window and immediately show you kind of your files that you can select from. If it's not linked yet. No worries. When you, when you click that file-sharing service and click Share, It's still going to redirect you to a browser window, but it's going to let you know that you need to set it up. You're just going to click Okay and allow the permissions that it asks for. And once you do, you will be all set. It will show you that file-sharing interface and allow you to select the files you'd like to share. 19. Sharing a Whiteboard: Another great content sharing feature in Zoom meanings is the ability to share a whiteboard. So this is great if you need to collaborate with a group and not necessarily on a document, you can use it for brainstorming, idea, sharing, all sorts of great things. So to do that, we are going to start off by clicking that green share screen icon again. And this time we're going to select white board instead of selecting a window or a file. So once you've selected that click share and it's going to open a whiteboard. Now you can see I've been tinkering a bit already. But let's walk through the functionalities available here and how you can use them. So first stuff, you're going to have that kind of traditional screen-sharing menu along the top where you can turn on or off your microphone or video. Adjust your security settings, view your participants and a little pop-up window. Access your polls and a pop-up if you want to launch a pop-up about the whiteboard, if you have sorry, a poll about the way forward, you can go ahead and do that. You can launch a new share. You can pause this share to go back to the video view for a bit. You have the whiteboard option here, which is just going to toggle on and off your white board controls. And then you have the option to allow for remote control if you want to give someone else control of your device in the screen-share. Then next up we have the actual screen sharing controls. So first up is select. Now since we've already got content here, we can select and move it around as we see fit. If this were Blake, you wouldn't really be able to use select until you add things to it. So in this case, I'm just going to take this box and move it over here because I feel like it. Next up you have text so you can go ahead and add a textbox, just click wherever you want and type. And you're going to have the option to add your own text. Next up is draw. Now you've got a bunch of different options under draw. Aside from just the standard, you know, drawing a line, do you have to select an option? If you click just draw, it's not going to switch. So you have to hover, overdraw and select the option you want. But you can draw a line, do a pre-made line, all sorts of different things. You can add outlines. And in this case that's kind of a translucent box, all sorts of things like that. So lots of options there for drawing and adding content. Next up we have stamp. Now, this is going to give you a few preset options that you can stamp onto the white board. You've got arrows. You can do a check mark if you want, or even you can add question marks. Now note that these are set shapes and set colors, so you can't adjust the colors or format for these. They're just preset options, but they're nice if you want to just quickly check off something someone added. If you really like an idea they added, you can add a check mark, things like that. Next up we have spotlight. Now this has two different options you can use now, first off, if you choose the little magic wand here, that is going to highlight your cursor so that no matter where you go, it is going to give you that indicators that people can easily follow along with what you're doing. Next up is the arrow. Now this is different from the stamp arrow because it shows your display name on there so people can see who place that arrow, but also as you kinda may have seen there, it moved as I placed it. So it only allows for one placement. So you can only essentially emphasize one thing at a time with that arrow. So if I want to move it to this squiggly line, it takes it off of this blue box. Next up is the eraser. Obviously this is quite a mess. So you can take the eraser and use it to remove any element from the page. Now as the host, you're going to be able to do that with any ones. As a participant, you're going to be limited to only erasing your own content. Next up is formatting. Now, it comes a little late, but this is how you format both your text and your drawings in a white board. So when you click this, you'll see you've got a few different color options. So you can select whichever option you like the best. And then you can go ahead and have, have your hot pink arrow if you want. And then you can also choose your line width. Choose to bold or italicize your font, and then also choose your font size from a number of different presets. So definitely play around with the formatting, figure out what you like, and go ahead and set those before you start drawing using text, things like that. Next up our undo and redo. Now, these are going to undo or redo actions that you've taken from newest to oldest. So essentially it will undo the very last thing I did. And then move back from there. And same with redo. It will undo or redo the last thing I funded and go from there. So, you know, that's great if you do something and you quickly just want to undo it, or you undo something and want to redo it. The erasers kind of better if you want to do some targeted removal. Next up is clear. Now as the host, you're going to have the option to remove really any content you want so you can clear all drawings, your drawings only, or the viewer's drawing. So up to you, you can choose the option you want. Next up you have saved. Now if you click this, it will save in the option that you, in the default option that's selected. So you can either save it as a PNG or a PDF to change that. Click that little down arrow there. Well, okay, if it lets me there we go. And then you can choose how you'd like it to be saved. So one last feature you have available is the ability to disable annotation for other users. If you're using a whiteboard, chances are you're going to want people to collaborate and be able to mark it up. But say you're at a stopping point or you want to pause and go over what's already there. You can disable that functionality for other users to do that, you're just going to hover over in the screen-sharing controls, the More options menu. And then you'll see down about midway you have the option to disable annotation for others. So if you click that, it's going to go ahead and take away that permission for other people. But again, you can go back into that menu and enable it if you want to leave that functionality on so entirely up to you, but handy for certain situations. 24. Assigning Breakout Rooms in Advance: Now say you want to create breakout rooms, but you don't wanna do it in the app kind of on the fly in a meeting. That's totally fine. You'll need to go to the Zoom website in order to do that in advance. So go to zoom dot us and login and then access the meetings page under your account. Select the upcoming meeting to which you want to add those breakout rooms, and then click into it to go into those meeting details. Now you'll see here, you don't really see it anywhere readily on the screen. You'll need to edit the event. And then you'll have the option to select adding breakout rooms. So down here in the meeting options section, you'll see Breakout Room pre-assign. So when you click that, you're going to have the option to either create rooms or import from a CSV file. So if you're creating rooms here, you will need to have people in your ear. You'll need to invite people within your Zoom account. So if you don't have people in your Zoom account, you can't. You won't be able to add them here. So you can see click Add room, breakout room one. Now, again, you could add people by e-mail here or name within your Zoom account. Now if you don't have, if these are people outside of that account, which they very well may be, you can go ahead and click Import From CSV. So now when you click that, it's going to give you the Upload option. They have a template that it's best that you use to make sure that everything uploads properly. If you don't already have it, they have a download link right here. So you just click that, download the template, fill it out with the rooms, room names, and assignments that you want. And then when you upload it here, it's going to automatically populate into those room assignments and with those specific participants. So definitely kind of an easy way to do things in advance so you don't have to sit there and adjust things in the meeting, especially if you want very specific room assignments. If it's something where you're letting people join the rooms they want, or where you're having Zoom, add people automatically. That's going to be easier. That's going to be pretty easy within the meeting. But in this case, if you really want those specific assignments, I recommend downloading that file template, filling it out, and then uploading it here into your meeting details before the meeting begins. 25. Editing Breakout Rooms: Once you've created your breakout rooms, you can edit them from the meeting using the breakout menu. So to access that, just click Breakout Rooms down in the bottom section. And you'll see here I've got my precreated rooms. I've already got one person assigned, but Matt joined after I had already allocated people to the rooms. So he wasn't assigned automatically. Now what I can do here is add him to the room. I want so to do that, I'm just going to go to this little blue icon on the side of these rooms here. Now if I wanted to assign him to room one, I could click that one and then select him from the menu of people. But obviously that's going to put two people in one room and leave the other empty. It doesn't really make a lot of sense. So instead I'm going to de-select him and click Assign here next to room two, and check his name to add him to that room. Now, I could also rename these rooms if I wanted. You can do that by hovering over and clicking Rename. And I could call this Lisa's room. And I could do the same to the second, but let's say I didn't want to rename this one. I wanted to delete it and I actually only want one breakout room while I can click Delete. Instead, it's going to ask me to confirm. I can click yes. And then again, I could move matt into the CRM if I wanted. But in this case I do want to room so easy fix just at the bottom click out of room. And in this case it's going to say room 3 now. But I can make this maps room. Hit Enter and then I can assign him there. Now, I can also move people by hovering over their name and clicking move to or which will give me the option to select the room. Or I can click exchange and it's actually going to swap the people in the rooms that I select. So I could swap that if I wanted. But obviously, we kinda want lisa to be in leases room and Matt to be in my classroom. So you have those options there. Also, you can go ahead at the bottom. If you wanted to recreate these rooms, you could click that. And, but what it would do is it would delete the your existing rooms and recreate them. So if you kinda wanted to start from scratch with the room, so you could do that. But if you've already got them created, it might just be easier to move some people around depending on what you're looking to do. You also have this option section here at the bottom. So when you click that, you'll see that you have some different permissions that you can set for the rooms. So you can either allow participants to choose their own room, allow them to return to the main screen at any time. So you can either opt to kind of force them to stay in the room until you release them or you can make make it so that they can leave if they need to. And you can also make it so that you automatically move all assigned participants in a breakout rooms. So that means basically that when you launch the breakout rooms, they'll automatically be moved there instead of having the option to join. Otherwise. You can also select some timing for the rooms if you'd like. So you can choose to have breakout rooms end after 30 minutes. Say you're having a class and you want to have discussion sessions for 15 minutes, you can go ahead and select this option and have the breakout rooms only lasts for 15 minutes. And then when that time is done, everyone will be put back into the main meeting. You can also have it when you have that selected, you can make sure that it notifies you when that time is up. We're not going to select that. We're gonna just kinda let these rooms and when they need to. And then the other option you have is a countdown after closing a breakout room. So if I were to close a room with a countdown, the members of the room would get a notification saying this room has been closed and it will close within 60 seconds. So you can go ahead and select to do that or not if you want it to just edit when you say it's going to end, you can de-select that option or you can adjust the countdown timer to a shorter or even longer period of time. So if you are having discussion sessions and you want to let people know, hey, I'm going to shut this down, wrap up your conversations. Using the timer could be a good option, but otherwise you could just de-select that and have it end immediately when you end the rooms. So, you know, definitely good options to get in here and play around with to figure out how exactly you want your rooms to be configured for what you need. 26. Launching Breakout Rooms: Okay, so once you've created your breakout rooms and assign everyone to where you want them, you're ready to launch those rooms. So to do so you're going to click that breakout room menu options along the bottom and you'll see the familiar pop-up. Now to launch the rooms, you're just going to click Open All Rooms down in the bottom right there. And you'll see now it's changed your view a little bit. You've got your members and it's saying not joined next to them. Once they do join, you'll see the little dot go green next to their name. And obviously it won't say not joined anymore. So now each person is in their designated room. And if they had other people in the room with them, it would just be those assigned people in that room. So you won't be able to hear what they're saying. Normal other participants in the meeting who aren't a part of that specific room. Now as the host, you've got a great option here. You can join those rooms once they're launched. So say I'm doing one on ones with people quickly in a meeting to make sure they understand everything or to get their honest feedback. What have you? You can go ahead and join in that room. You just click Join there and then confirm. And once I hit that, you'll see that I'm going to move into that room with Lisa. So now we can have a discussion, just the two of us. And when I'm ready to leave, I can just hit that leave room button down at the bottom. It's going to give me the option to leave the breakout room, the meeting or end the meeting. Obviously, in this case, I just want to leave that room and it will bring me back to that main session. So you can go ahead and jump from room to room. If you have people brainstorming ideas and you want to jump in and see what each group is doing. You can go ahead and do that through your breakout menu. Or you can join and have conversations with people as needed. So really great option. The other option you have once they are all launched is to broadcast a message to all. So if you click this option, you can send a message that's going to go to each room so you can say please. So I'm gonna say please discuss the main themes of chapter three. And then I can broadcast that. And that message is going to be sent to each user in each breakout room. So a great way to ascend a quick little reminder of what they should be discussing or what ideas you want to hear, things like that. And then once you're done, you can go ahead and click close all rooms if you want to end them manually, or if you have a time limit, you can just let it run and they'll end when that time limits done. In this case, I'm just going to close these rooms. And now it's going to give the users that 60 second timer and notification, since I have that setup in my settings. But once that's done, everyone will return to the main meeting so you can all discuss together what occurred in those breakout rooms. 27. Adjusting Audio and Video Settings: When you're hosting a meeting, it's really important that you have all of your settings set up appropriately so that you are able to present the way you want and need to. Now, one big thing you want to make sure is good to go before you really launch your meeting is your audio and video settings. So in order to kinda check those and make sure they're set up properly. You can go down here next to the microphone icon and click that up arrow. Now here you're gonna see specifically your audio settings now you can select different microphone or speakers. If you have different elements setup and plugged in, you can choose which ones you want to use. And you also have the option to test your mic and speakers. This is a great idea to do before a meeting starts to make sure that you can hear everything properly and that your microphone is working so that others can hear you. So you just want to select that test option. And now what will happen here is the computer will actually play a sound, a ringtone, and you need to say whether you hear it or not. So if you don't hear it, you can try toggling. If you have other speaker setup, you could try doing that. But once you know whether you hear it or not, you can click yes or no. So in this case I'm going to say yes, I tested my audio before and it's working great. So next up is the mic test. So you're actually going to need to speak and then pause. And what the computer is gonna do is it's going to capture what you say and then play it back to make sure that it's working properly. So again, you can change the device if it's not working to see if that's what the issue is. Or here you click yes or no. So if you click Yes, you're going to be good to go. If you click No, then you should get some troubleshooting options to kind of see if you can figure out what the issue is further, in this case, I know my mike's working. I'm going to click Yes, and then I have the option here to just finish. Now, we kinda wanna do the same thing for video. We want to make sure that our video's working properly and then it's optimized for the audience so they can really see you clearly and that everyone, everything looks as it should. So to do that, we're just gonna go next to the video icon and click that up arrow. Now again, you have your hardware option. You can go straight to choosing a background and a filter if you want. But really we want to go straight to those video settings. So you'll see here, it's going to launch this big Settings menu, but it's going to default to video. And that's really what we want to look at here right now. So first up, you're going to have your hardware options. So again, you can choose your webcam if you have different options that up here I've got an external one setup and that's what I want to use. You can opt to change the ratio or the quality of the video if you want to make it high def. And then down here in the my video section, you can choose to use video mirroring, which is pretty standard. And then you have the option to actually kind of adjust your video appearance a little bit. So here we have touch-up my appearance. And when you click that, you're going to see this little bar. And what this is going to add is a slight blurring effect that you can adjust as needed. So Say you're just, you know, look a little tired today and you want to take the edge off, you could up that slider and it's just going to fuzz your appearance a little bit. To kind of soften it up. Be mindful though, if you do go a little too extreme with it, it can be a little noticeable that you're a little fuzzy around the edges, so you can opt to use that or not. And then you also have the option to adjust for low light. So you can see here that through my webcam, I'm looking a little bit dark. If I click this option, you'll see it automatically brightens up the video so you can see me a little bit better. So that's a good option for me in this case. I'm going to leave it. And then down along the bottom here you have a few different options for your kind of personal video viewing. So you can make sure that participant name is displayed on the corner of their video. You can turn off your video and joining a meeting if you want kind of a minute to get in and prepare before you're right on camera, you can do that. And then a few other options. Show a video preview dialogue, hide non-video participants. If you're in a big meeting and you only want to see the people on camera. You can go ahead and hide those who aren't. And then see myself as the active speaker while speaking. So basically speaker view is going to show you any other people who are speaking, but it won't show you yourself unless you check that option. And then finally, you have the option down here on the bottom to select how many people you're seeing in gallery view. Now if you have only a free account, the only option you're going to have here is 25 participants. If you have a license account like I do, you'll see 49 participants as an option. And then lastly, if you don't see any video here, chances are you're having a camera issue and you can go to that troubleshooting option. So definitely a lot of options to use to optimize your video here and to test your audio to make sure you are set up completely for hosting your meeting. 28. Additional Meeting Settings: Once you have your audio and video settings all arranged, you may want to adjust some kind of more in-depth settings depending on your preferences. So in order to do that, let's open that settings menu. We're going to go the same way we did to edit the video. So we're just going to click the up arrow next to the camera icon and click Video Settings. Now this is going to default to those video settings we went over in the last video, but it's going to open that whole settings menu where you can easily access your other settings. So first up you have general and this is just going to be some preferences for when Zoom launches. What it does when you minimize it, showing meeting controls, things like that. So just really general settings that you can tinker with to make the experience kinda full year own. You can also choose your reaction skin tone. You don't want to have that yellow emoji. I could choose the very pale one for myself, but we'll leave it on the yellow. We already went over those audio and video settings. Next up, you can talk about screen-sharing. See you can adjust the view, the size of your window when your screen sharing. You can scale it to fit. You can show what applications to share, how you want to share them. What happens when you share your screen? And what happens when you share in a Zoom room. So again, more options that you can just customize depending on what you like. Definitely recommend kind of playing around with those and seeing what works best for you. Now with chat, you've got also a bunch of options. You can show code snippet. The option to share code snippets if you want, say, you're doing a meeting with your software team and you want to share code snippets, you can go ahead and do that. And you can change. You can put up in a way message if you'd like. Set, have, adjust your settings for unread messages, and even have push notifications set up for different kinds of messages. Next up we have backgrounds and filters. This is kind of a fun one, but as the host, depending on what type of meeting your hosting, you may not really use these, but if you want to add a little fun or adjust your meeting, you can play with the backgrounds and filters. So for backgrounds first up, you have the option for none, which is what I have here. Now blur you're not really going to see anything when I enact it because I'm on a solid background. But what this is really going to do, it's just going to fuzz out your background so that people won't see, they'll see indistinct shapes instead of clear images of what you have behind you. So that's an option if you don't really want people to see your settings, you could blur it. And then you could also use some of these preset images that zoom offers if you want to change where you are. You can also add backgrounds. If you want to. You can just click that plus sign and add an image or a video. So say you have, you want your company logo behind you. You could upload an image of the company logo and set that as your background so that it shows up behind you or over your shoulder during your presentation. You also have some video filters available. Now these, for the most part are kind of cartoons and, and certain options you may not really want to have that as the host of a meeting. You also have some that will adjust the color. So say you're not in great lighting and even kind of adjusting that lighting in the video settings. You may want to set kind of a tonal filter to change your, your lighting slightly so you have those options. And you also have the option here for studio effects to add facial hair or even a lip color if you so desire. Now, you can absolutely take advantage of that if you'd like. It's something to be mindful of though, because at times it can be a little obvious. So just again, test that out if it's something you're interested in and make sure that it is kind of appearing properly so that it doesn't take away from your meeting. Next up you've got recording. You can select the destination for local recordings. You can set to choose it at the end of the meeting, optimize it for video editing, all sorts of different options. So if you're going to be recording a lot of meetings, I would definitely recommend checking the settings out and making sure that you've ticked off everything you want to be available when you're recording. Next up, we've got your profile. You can just go ahead and edit your profile, view, your subscription, things like that. It's gonna take you to the Zoom website where you can adjust those kind of more in depth. You've got statistics so you can see kind of how much space and memory Zoom is using. And then XW of keyboard shortcuts. So you can activate some of these shortcuts and then you can utilize them if you're big on using those hot keys to get to things quickly or perform a function quickly. You can go ahead and learn some of these keyboard shortcuts and enable them. And then last but not least, you have accessibility. So this is really important. You can turn on closed captioning and adjust the size of the font and the way it displays. You can also have screen reader alerts set up. So this is just a really great way to add more accessibility in two years in experience, if you'd like. But really, you know, again, these are all settings that you can customize and adjust to change your experience to be what you want it to be in Zoom. So definitely get in there and adjust the settings as you'd like to make it your own experience. 29. Managing Security Settings: As a host, you have one other kind of settings available to you that you can adjust with an AA meeting. So along this bottom menu bar, you have the security settings menu. So when you click that, you'll see you have this menu and no other participants in the meeting will have it unless you enable a co-host. So here you'll see that you have the option to lock the meeting. Now what this is gonna do, it's not going to allow any other people come in. So say you have someone giving a presentation, whether it's you or someone else, and you don't want people joining in the middle of that presentation, you can go ahead and lock it. Or if you had a hard deadline for the timing, either way you can set that up so that no one will be able to join after you do so. Next up, we have the option to enable a waiting room. Now we already did a video on what that waiting room really does, that it holds people arriving to a meeting until you admit them. And this is how you can quickly enable that function. Next up, It's really participant permissions. So you can opt to allow participants to perform certain functions or remove those functions from their ability. So you just click off which options you want to allow and disallow. See here I've got screen-sharing disabled for participants, but they can chat, renamed themselves, unmute themselves, and start their own video. Now at the bottom here you've also got the option to remove a participant. You can do this also through the participants menu next to their name, but you can select the option here and security as well. And then last but not least, you have the option to suspend participant activities. Now this There's a reason it's in red. You know, they always say don't hit the red button. In this case it's kinda the same idea. This is the nuclear option for a meeting. So say, you know, the meeting has gotten out of hand. People are really disruptive and you want to put an end to it immediately, you would click this button. And now you're going to see this pop-up menu asking you if you're sure. So it's going to shut off everyone's video and audio screen-sharing and it's going to lock the meeting. So really everything is going to stop. And so if you want to do that, you can click suspend and it will absolutely do that. You also have this tick box option to report it to Zoom. So it's going to report basically all the users in the meeting to zoom, to let them know, hey, you know, something awful happened here. These were the participants involved kind of things. So again, that really is the nuclear option. If you need to use it, go for it, but just be mindful when you are and whether or not you really want to report it if you need to. So I'm going to click Cancel because all of my fake participants have been lovely today. But you do have all of those security options available to you if you want to kind of adjust those permissions and settings on the fly in your meeting. 30. Course Recap: I hope you've learned a lot today about how to use Zoom when running a meeting, you should be able now to schedule a meeting either online, on the Zoom website or in the desktop app, you should be able to navigate, Zoom, Zoom comfortably, and use all of those different functionalities from screen-sharing to reacting in a meeting and using chat. And you should also know how to adjust your settings as needed to optimize that meeting for your needs.
