1. Introduction to The Art of Planning: Hello there. I'm so happy to welcome you inside my course, the art of planning, monster time management and increased productivity. My name is on look, and I'm a personal development coach and career consultant with a passion for helping people become organized, use their time more efficiently and achieve their goals. Don't we all dream off that one extra hour in a day? It's true. Sometimes there just isn't enough time to do everything we want. But sometimes it's not that we don't have enough time. It's just that we don't use it wisely. A maintenance observation back in college when I had the most amount of free time ever. Still, I nearly missed a few deadlines and had a couple of sleepless nights when I had to catch up on the coursework. After in my professional life, when I became a self employed English language teacher, there was no moss to tell me what to do or when to do it. So for a while I had been pretty lax with my time. No, I would probably say that I wasn't being intentional. My troubles with procrastination property me to embark on the journey. Learning time management re evaluating the situation and getting a clear picture of where I waas and where I wanted to be helped me to get back on track. The biggest realization. Waas A productivity was not an accident. It didn't just happen. It was a skilled toe learn and something to be used. Mindfully from there on. Lending my time and creating a daily or weekly schedule has kept me organized or in the last couple of years. I came across different tools and techniques that help me to save time, become more efficient and stay focused. In this course, I would like to share with you my time management system and productivity tools delivered in bite sized modules, some of which will include templates. Develop chest for you. The fourth templates that I'm sharing here include at loose manager time blocking and passed fetching tools and a daily planner, which can also be used on a weekly basis. I firmly believe the Q can achieve the best results in the foster inefficient weight and also build a balanced, meaningful and successful life. Motivation. I also believe that self care lies at the core of productivity, so we'll talk a bit more about balance. Intention and Mindset: welcome to the first class of the art of planning, monster time management and increased productivity. I'm so excited to work through this course with you and hope that you get lots of value from it. Mind their course is built upon the concept that time is our most valuable asset. Almost everything else we have we can gain more off, but not time. When we lose it, we lose it. That is why being intentional about how we spend our time is very important. What your intention is depends on your values and your priorities. They can change depending on the stage. In our life. There are times when me toe work more or rest more, give more time to our family or focus on our business. We waste our time, however, when we are undecided or unfocused, when you procrastinate or when we try to multitask. This is the reason why I wanted to talk about intentionality because I believe that it lies behind any successful venture. I noticed that when I managed to set the intention for the day in the morning, it helps me leave the day with more purpose, and the day goes much better and I'm able to accomplish more. This works for any task, really, And if there is a clear intention behind something we do, there is more chances are we complete the task. If you were taking this course, you would probably like to have more time. But what exactly do you want to do with this extra time? Try picturing how you would use it when you do have a picture taken old book and write down your intention. Remember, there is no judgement here. No matter what your intention is, you could decide to spend more time with friends and family, read books, practice sports, learn something new, start a side project, perform better at work in advance your career or relax and have more rest. I would like to emphasize here that the rest is not a waste of time. It's very important for our physical and mental health, and this brings us to the second point. I want to discuss the mind, said that we approach this course with, First of all, there should be no judgment off what your intentions are. We're all different, and as I already mentioned, we have different priorities and go through different stages in our lives, so remember no judgment. Next, be honest with yourself and set a realistic intention. We can get carried away by a vision of a perfect life. But any good change takes a while, so they get one step at a time. But also don't doubt yourself. If you want to change a certain area of your life or reach a certain goal, you can definitely do that. If you want to have more time to accomplish more, you can. But if you want to do the opposite and just great more white space for rest, that's also great. Third, though not just learned that execute, Apply everything you learn to understand. If it works for you, be open to change. Be excited about the improvements that you are about to make to her life and, most importantly, be willing to share. If you struggle, find accountability partner and do this course together to support each other. Share your story in your success. Let others be inspired. These points that I mentioned are important for getting the best possible results, and in the next session will evaluate your current situation to see what areas might need improvement. I'll see you in the moment 3. Evaluating the Current Situation: old starts with a look at where you are now. That's why evaluating the current situation is included in this course. Clearly defining the purpose and pathway helps alot thing. Creating are ideal life. But before we dive into making step by step plans, it's important to understand where we stand. This is why today's topic is evaluating the present situation in getting a clear picture of what is going on in your life right now for this purpose, we're going to take a look at the biggest and most important areas of your life, such as your health career or personal development. You can copy the names off these categories onto a page in your notebook or download the template that I created called the Life Chart. I find that the best way to work with it is to actually write things down. There is something powerful in putting pen to favor. I tried to include eight major categories that are usually used in coaching. They include health, spirituality, personal growth, home family relationships, carrier and finances. In these two slides, I tried to break them down for you, but if you see that there is a category that is missing. Feel free. They included in your chart as well. I attached a blank one for this purpose. Now remember the intention that you roll down your in the previous class? Chances are it belonged to a certain area of the chart. Which one was it? Family held Courier. This is the area where you wanted to see some change or progress, and that's what we're working on. So choose the area belonged to an answer. These questions on the scale of 1 to 10. How satisfied are you with the current situation in this area? Number two. What is working in this area right now? What has MPAA's it of aspect? What makes up the number that you put there and three. What improvements would you like to see? What is the desired outcome? Once you're done, take a second look at your answers. What are you? Thoughts and observations. Has anything surprised you? For example, when evaluating your work, you might give it six out of 10. You are somewhat satisfied with the job you're doing. It might not be the most interesting, awful feeling, but you're not miserable doing it. The positive aspect are that it pays the bills or you can work from home or you have nice colleagues. However, yesterday euro down in your intentions that you would like to have more time to start their more fulfilling project on the side. Another example. Your intention was reading more books, which falls into the personal growth category. You could give it a number depending on how satisfied you are with the present. Have you been reading for pleasure and old recently, or have you been neglecting this passion of yours for quite a while now? Positive aspect could be that you spend this time taking care of your Children who need your attention. But the improvements you would like to see is may be taking the time to read a few pages before sleep instead of mindlessly scrolling through social media. Now you get the idea right. If you want to, you can take some time to work through all the areas or take them one at a time. For example, every two or three months, choose a new area and implement some improvement there. It might also be helpful to discuss the questions with your friend or partner, especially when it comes to improvements. They might have some interesting suggestions, and I will see you so far 4. Defining Your Goals: Welcome to our third module, where will briefly touch upon setting goals in the previous session. I asked you to work through the life chart, grading the categories in it according to your level of satisfaction on a scale of 1 to 10 and list what is currently working in that area. If you did it great, I hope it provided some clarity and helps you to see the areas where it can be proud of yourself and your achievements. Acknowledge your hard work on those categories, feel the gratitude and let them work as inspiration to make improvements in the areas that received lower rankings. The no Charge Yourself If your level of satisfaction with some categories is lower than you expected, instead see them as opportunities for growth or new beginnings. This is what this course is all about. Now it's time to dive deep into the discussion of your goals. Remember the intention that you started this class with think of the goals as a breaking down this intention into smaller, more achievable practical steps? I believe it is crucial to set goals before approaching any amount of time given to us whether it's one hour or one week setting goals means taking responsibility for that time as well as the outcome of our efforts. So what are the characteristics of good goals? First of all, they're holistic. This means that they include both internal and external aspect, and most probably touched several areas over your life. If you major goal is good health, your smaller goals would include proper nutrition and hydration, exercise and mental health. Second, they are specific. What exactly are you aiming to achieve? Write down the numbers, dates and as many details as possible. After that, create a schedule and put all the steps in there so you don't forget to make time for it. Third, good goals are realistic. We might all want to be able to lose those naughty five kilos overnight, but we all understand that this is not how weight loss works. When setting your goals take into consideration. The timeframe and resource is that you're given as well as the obstacles that you might encounter. And lastly, Google's are relevant to your life and your situation. Make sure you are not trying to live up to someone's expectations, but fulfilling your destiny did not compare yourself with others. Just because someone's progress happened in a certain way does not mean that yours will be the same. We should measure our progress taken into consideration our old circumstances, not other people's. And now it's time to do a bit of work. Take a moment to reflect on the area of your life, where you want to see improvement and do some brainstorming. We'll start with a very simple question. What is just one small thing that you can start doing today In order to make progress? It is easier to start by thinking of only one thing. The change or to add or remove. That will be the first step toward success in this area. You have made the first and most important step to success in that area, because often what we need is just to start from there. It's easier to work on the last questions of the life chart. What are the solutions for the situation in the area with a lower ranking? Consider several practical steps that you can take to improve it and least at least three possible solutions. Is there something that you need to learn or to implement? Is there a course you could take to obtain the necessary knowledge faster. Is there something that can be simplified, streamlined or outsourced? Is there someone you can ask for help with this? Is there a person you can be accountable to? For example, if your goal is to improve your health, your possible steps are adopting a plant based diet, exercising every day for 30 minutes and drinking enough water. How can you achieve these things? Schedule your workouts, meal prep time and set an alarm to wring every two hours to remind you to drink a glass of water, enroll in the gym, join an online community or invited friends to work out together. Ask your friends and partner to support you on the journey by checking in with you regularly whether you're sticking through your plan or not. And finally, what are the possible obstacles or barriers on the way to your goal? This is not to bring negativity or discourage you from even trying. The purpose of this question is to prepare how you will respond to obstacles if you decide to quit sugar on your journey to well being and the next week attend your best friend's birthday party, someone will probably offer your slice of cake. What will you do? Feel rattled and eat the cake out of guilt or calmly and politely refuse one more thing. Even if you ate that cake and I bet it was delicious, do not get discouraged. You can always start again if you miss the workout one day because you decided to sleep in . Do not just stop there, said the alarm again for the next day. And do those sun salutations. It's not a competition, and there are no judge is changing your life for the better is not an easy task, and the process requires patience and grace. You have done a lot of work. During our first recessions, you were able to look at all the important areas of your life, understand how satisfied you are with the current situation and identify the things that are working for you in each area. I hope that you were able to work through your life chart, and if there was a category with a lower ranking right down the list of possible improvements and desired outcomes, establishing what success means for you in this category helps to get a clear vision and come up with a well thought out plan. In the next session, I will explain a bit more about ensuring that you get the necessary support on the way to achieving your goals. I'll see you there. 5. Creating Support Systems: things that is closely linked to being productive and achieving the best results in any area of life is creating structures that will support you along the way. I like to call them the pillars of productivity because their job is to prop you on the way to accomplishing your goals. Here they are preparation priorities and people. By now, you might have already identified what steps you need to take to reach your ultimate goal. So the next step is to make the necessary preparations, perhaps to become more successful in advance in your career, you need to research a topic, read a book, learnt the skill, save some money or make an appointment with a certain person. Identify what it is and make the necessary preparations. For instance, when you're weak adopting a healthier lifestyle, it could be as easy as buying running shoes, packing your lunch the night before or filling your bottle with water. Depending on your goal, there always some smaller big steps we can take to prepare ourselves to pave the way to good results. They're easier to achieve when something's have been taken care off beforehand. The arrangements or bookings or promises are made, and there is no way around it. You have to go and complete the task. The next important thing is to prioritize. Having a solid set of values will keep you laser focused on the things that are important to make your dream come true. Use these values in your decision making process. Another thing that helps is to set clear boundaries and stick to them. If you blocked some time to work on the project, do not get distracted by social media or online shopping. Set a timer. Focus on the task at hand and you'll achieve it. Tell me, how often did you finish your work or school project in the last three days, or sometimes even during the last night before the deadline? The truth is, we often procrastinate because we're giving more time to complete tasks than we usually need. That is why my tip for you is to give yourself a more pressing deadline, and this is no distress You. This is to make you accomplish more, and if you feel like you're getting stressed, take a break and rethink the initial plan. But this is a tendency that I observed when I use a timer or an alarm clock. Give myself 90 minutes or three hours. I managed to complete a project that might otherwise take days. So do not just sit down toe work on the project, sit down and make a decision to complete a task. With that mindset, you'll get more things done. And lastly, find your people. It is crucial to be surrounded by like minded individuals. Ask someone to be your accountability partner. Build a team that over support and cheers the own or find the mentors you can learn from. It is difficult to meet other driven people where you live. The Internet makes it possible to connect with anyone anywhere in the world. There are incredibly supportive online communities that can inspire you and where you can learn anything you need. So there you have it on the way to your goals, get all the help and support that you need. You don't have to do this journey alone, and in our next session we'll start talking about the 1st 1 off the productivity tools that I promised. Can't wait to see you there 6. Managing Your To-Do List: in this mortal. I want to introduce the first productivity tool and give a few tips that helped me in my client's stay in top of our game. Every once in a while, love gets messy BZ or cluttered. As much as we would love to keep a need schedule and have lots of space to make decisions and do things that are important, it's not always possible. Circumstances change with a cool, new responsibilities. People ask for favors, emergencies arise, you name it. But the point is things. Sometimes they're not go as planned. And instead of having a couple of quiet hours, we often find ourselves rushing from one place to another, desperate to complete tasks and struggling to catch her breath in between. I know I've been there, and you might have to when this happens. For me, this is a clear sign that something needs to change. So these air just a couple of tricks that I used to reorganize or regroup, and this is what a to do list manager is designed to help you do. Are you ready to start? First of all will do what I call a mind dump. This is a very useful exercise and remember it because we'll be doing something similar to this activity in Module six. When we talk about task matching in creating theme days, I would like to ask you to write down all the things that need to get done. Get them all out of your head and onto the paper again. If it helps, you can group them into categories family work studies. I personally prefer to write lists for each category. It's just easier for me afterwards to tackle one category at the time, but it might be different for you. So decide for yourself. Now we get to work with our printable file. Once you have the list or several lists Lucas each and decide, is it an urgent matter? Is it an absolute must tackle to resolve or to finish it right now, if there is any task at all that doesn't come with negative consequences, get treated with completely. Put it in the remove category. Next, is it imperative that you should be the one to do it? Can you ask someone for help? Can you delegate or outsource it? If yes, make the arrangements and get rid of those items to these go into the reassigned category. Lastly, what are the things that are not urgent and can be put on the back burner? They belong in the reschedule category. Get your calendar and schedule them for next week or next month and set reminders. Scheduling them means you won't forget to do those. Plus, you don't have to constantly keep them in your head and worry about forgetting them. When the time comes, you'll get a reminder. By this time you must brawl. It's less your least by half at least, and what's left are just the things you can't drop because there are two important, urgent or pressing matters that need you to complete them. So today or this week put all your focus and effort into them. The most important points to remember here is that not everything needs to be done. Not everything needs to be done by you, and not everything needs to be done immediately. So Onley focus on what you absolutely must do right now or soon as possible and get everything else out of the way. And now that you've got Onley, there was important things on your list that can't be dropped or delayed or delegated. Draw a rough schedule, spreading them evenly throughout your week. Start with smaller in easier tasks to get into the flow and then move on to the bigger projects. Don't forget the schedule rakes. Best of luck with Declan your to do list and in the next session all share another two for productivity as we discussed task matching. 7. Batching Tasks & Creating Theme Days: Did you know that on average, it takes about 20 minutes for a person to switch from focusing on one task to another, which means that every time you multitask actually do ourselves a disservice instead of giving our full attention to only one task and completing it quickly, Sometimes we waste hours switching between different tasks and then wonder where the day has gone. To avoid wasting time, apply the task matching technique, which allows you to use your time more effectively. This is how it's done. First, make a list of all activities you do during the day or week. If you use that to do list. Manager from the previous module on we need to do is to look at your section that is cold, realize and possibly the reschedule section as well. This is where you put the tasks that needs to be done by you, some of them urgent and some of them not next. After looking at your list, try grouping really that activities together again. You might have done it already, so this time it's easier for you to help you here. I agree that a simple example of how it might look like off course, depending on your occupation lifestyle stage in life or other circumstances, it could look very different from what I created. Your own list will be unique to what you do. For example, in the home category, I put several things I'm normally responsible for cleaning, cooking laundry or in doing groceries. No. Do you think that it would be easier if these tasks or groups of tasks on the list were a pre scheduled on certain days? So you don't need to decide every morning what to tackle? Instead, you open your planner and no, today's my client Work day and I will answer all emails and enquiries, make all the necessary phone calls, or finish the projects that come with the deadlines. Or it's an admin date. And today I will clean up all my accounts and organs on marketing for my business again if you work through your to do list. The last task There was a drop her off schedule of your week, where you evenly distributed the tasks. You can actually just stick with that one. But you might find another print out, and I made for you quite useful. It's a bit more detailed. It has the days split into mornings, afternoons and evenings, and with this template, you can create theme weeks, days or periods within a day when you either focus on one task, only group similar tasks together and tackle them all at once. This is much more effective than jumping for one thing to another. Personally, I found that having client days when I do calls and meetings, research days when I look for information I need for my work and personal growth days when I do reading, listen to podcasts or even just dressed improved my focus and makes me more efficient. I hope this system works for you as well. And if you try it, let me know how you batch your tasks. My hope for you at the end of this course is that now you have several different tools to create your own well balanced routine and find the productive workflow that will allow you to manage your time in the most efficient way. When our time is well planned and by the end of each day, we're able to tell exactly what we have accomplished. It can make us proud of every little step we take and every task you complete because they yes, closer there are bigger goal and I will see you in just a bit to introduce the third tool for productivity that I have in store for you. It is somewhat similar to task a matching or the to do list manager which we discussed in the previous clauses, so you can try all of them and decide which one works better for you. 8. Using Time Blocking: welcome back to continue our conversation about a management and creating support systems to ensure desired results. I would like to discuss another helpful tactic. While at the loo list Manager is essential for creating priority lists and bringing order in the way we approach our tasks. Time blocking method is used to create structure and organize our days for maximum efficiency. We already know that it is not enough to simply write that ask down in our journal or a to do list. The most important step is to allocate time for it and included in our schedule. Identifying your most productive time of the day and eliminating old destructions for the period helps the focus our energy and finish tasks and projects much faster, thus achieving the best results. However, it has been proven that we work most productively in intervals of 60 to 90 minutes. So don't forget the schedule. In breaks stretch Drinkwater eat lunch or go out for a short walk. This will keep you refresh than energized. This will also help you to avoid over well, when you see that you have scheduled on Lee work with no downtime, you might want to reassess self care should always come first. So instead of aiming to complete every project, focus on the time sensitive tasks those with deadlines first and transfer the rest to another day and always scheduled time to have fun. I created a loan laudable time blocking template that does these things. It allows you to see the complete picture and get a better understanding of how your time is spent to make the best out of the time looking tool. Follow these simple steps. Number one. Identify you most productive time during the day. Most people can work productively for five for hours without getting exhausted. Make sure that you use the best hours of your day, which for most people are late morning or early afternoon and tackle the most important tasks on your list during that time number. To eliminate distractions, switch off your phone and do not check your social media accounts. If you're working on your computer, keep on Lee the relevant tabs open and do not jump from one task to another. Multitasking doesn't really work so focused on one thing at a time. Finish it and then move on. Number three Schedule breaks schedule not Onley your work, but also down time and time with family or friends. Being able to take a break switch off our brain and relax makes a significant positive impact on our productivity. While you are working every hour and make sure you stand up, stretch and drink a glass of water. Also, be realistic when creating your schedule area says your progress. And if you need some extra time, take it. Don't be too hard on yourself. Always hoped for doing quality work instead of trying to finish a task as quickly as possible. Another important point. Commit to not work overtime, knowing that you must finish your work by a set time, such as five or 6 p.m. For instance. If you keep regular office hours, will keep you more focused and determined. So set boundaries around your work time and did not break them. Protect your intentions. Protect your time knowing that you will have to switch off your computer and go home and spend time with your family or go to the dream to exercise can be good motivators to finish work on time. I hope the time blocking technique will help you with organizing your time more efficiently and in our next class will discuss the lost tool for productivity that I use on a daily basis. 9. Introducing the Daily Planner: we were already nearing the end, and I'm so grateful and happy that you're still here with me and the working on getting the life of your dreams as you take control of your time, deal with your tasks swiftly and bring more balance into your days. In this session, I want to share my absolute favor tool with you. The daily planner was designed to keep you organized and focused on your goals and tasks on a daily basis. According the research, there are multiple benefits to using a daily planner. Some of them are obvious, such as better time management and improved productivity, while the other ones are quite surprising, like stress relief and increase and creativity. Don't forget to download the printable files in the projects and resource is tab and let's get into action. I start almost every day, or at least every Monday with a cup of coffee that I drink well working through my daily planner, and the most important part of it is setting the intention for the day or defining its purpose. For me, it is figuring out the kind of mindset I will approach the day with whether I'll be more determined, more flexible or more relaxed. Sometimes I just write one word. Their kindness, Arrest or kharj More often, it's an affirmation when I'm grateful, wonderful things will come into my life on other occasions. It's a reminder. Trust you heart be resilient or keep going. This becomes my mission for the day or my mantra and also prompts me to think of practical steps to live it out. But it all starts with setting the intention. Like I explained in my first module, I discovered that writing down my intention for the day reminds me how I want to leave this day in my life. It provides me with clarity and purpose. In a way, it also determines the outcome of my day, inspiring me to take action the worthless intention, such as seeking how the show kindness to others or to myself. Now I would like to talk about prioritizing. The planner has a few sections for tasks in it. First, it is best to plan the main goals for the day. Usually there are at least three of them. These air normally connected to my drop as they come with deadlines, and there is an urgency attached to them. It gives me peace of mind when they're tackled first so I can focus on other tasks. However, recently I started including self care into my priorities as well. I realized, for example, that doing my workout is not scheduled on nine out of 10 days. It will not happen. Prioritizing it and making it one of my main goals for the day pretty much guarantees that it will actually be completed. Second, combat chores. Routine tasks, especially the household ones. Cooking, doing laundry, tidying up or buying groceries. These are not normally take too much time and are quite easy to take off. Then there is the other tasks category here, a usual right reminders about that coming birthdays, phone calls I need to make emails or postcards to send. Sometimes I add notes on books I want to read or movies to watch. Most of these tasks can be transferred to another day. They're not pressing or urgent in the appointment section, at least, all the meetings for the day and what time they're scheduled. I often add travel time here, too, especially if I need to commute to the meeting place, and I'm not sure how long it takes to get there. I would check Google maps, right, the boss and train numbers and what time I need to leave. This helps a lot. My favorite section to work through is what I call the wellness section, which I most often do at the end of the day because it helps to end the day on a positive note. That's writing down three wins, something that's going great or something that I accomplished today, and three things I am grateful for using. The simple planning technique helps me so much with not over committing or overbooking as well as respecting my boundaries. Sometimes I feel up the daily sheets for the entire week ahead to get a better grasp of what's in store. For that, you can use separate daily sheets or repurpose the daily planner and use it as a weekly planner. Instead, you can use the exact same system for planning your week on Monday morning and for evaluating your week on Friday or Saturday night. Seeing my whole day or week preplanned helps me to bring more balance into my life. I sincerely hope that it will work for you as well the next session will be our lost. And there we will talk about the importance of reward and celebrating our successes. I hope to see you there. 10. Celebrating Your Wins: congratulations. You've made it through the end. This is the last session off the art of planning course, and I just wanted to say this. Thank you so much for taking the time to work on your dreams. I'm so proud of you. During the previous sessions, we looked at our lives and discussed every important area where we want to see improvement . If something did not satisfy us, we designed an action plan, wrote the list of small steps to take and overall have done a tremendous amount of work. By creating a vision of your ideal future and setting up the goals to achieve it, you might not be able to see the yet, but soon it will become clear that having a clear picture with a strategy behind it is what is going to ensure your success. We worked on the daily schedule and learned the manager or time more effectively through time blocking and task of etching. More importantly, we discover that consistency and balance our keys to success. That is why right now we're taking a moment to acknowledge everything you have done. I believe that a major part of our motivation to keep going lies in recognizing all the work we have done that things we learned from our winds and failures in the deep sense of gratitude for the opportunities we encountered, take a moment to reflect on your experiences. What have you learned from them? What can you acknowledged yourself for? What are the negative feelings around them that you should let go off? What are you grateful for? It's a good idea to use a journal to write down your thoughts, because you can later go back to those pages and feel inspired. Least all the little steps you have taken to reach your goals. And not just the major milestones. Often it's the small, trivial things with a daily that play a big part. And now think of a way to celebrate recognizing and celebrate our progress. However small it might seem to you at the moment, is crucial in keeping us motivated and energized. A beautiful home cooked meal, a weekend away, a relaxing walk, two hours of response, lunch with a friend to share the news. There are multiple ways to reward ourselves for the hard work we've done and lastly, another big thank you from me this says so much about your commitment to setting smarter goals and working more productively. I'm beyond grateful to you for being here and doing it. And my biggest hope is that it encouraged you and supported you and planning in thinking steps towards your dream.
