Me personally, I think there is nothing better than to invest time and learning new skills. I'm Toby, and I will be your instructor for this course. I've already given a lot of classroom trainings on the table, but this is my first online person, so I'm probably as excited as you are. No, you might wonder. Why is this guy having such a strange love for table? Well, at the beginning off this year, I started a new job and I had to deal with lots off They got So I started looking around because extra didn't fulfil my needs. Believe me, today I discovered air table. It was like gaining in new Superpower. I really hope for you to get the same feeling after taking this course during the course. And this best that I want to show you how you can set up your account in a table to get things started. Therefore, first go to air table. Don't come. And you should see this home page. There we go out to the right and click on. Sign up. Now we have to enter our contact details here. Simply enter your first name, Last name on duh. Then we go on the email and we have to create a possible ridge. Okay, As soon as we have finished, we click. Sign up. Now a table will ask us some different questions, which you can simply answer whatever might apply to you. Doesn't matter. We could continue. And here we have another field where it all stands for the name of our workspace. And also the collaborators reap unto in. But we can skip the step for now. We will do all of that later, so simply click. Skip there is getting started guide. We don't need that because therefore, you're taking this course right? And now we're already in a table. Ask you to confirm your email and also to invite your friends. You should definitely go and confirm your email that you're correctly set up in the air table system. All right. And that's it. There we are. This is our first for experience and join me in the next video to learn more what the workspace actually is and what you can do with it. See your damn 3. The workspace | How to work with spaces and bases: all right now, after it successfully signed up, you're now on your new home screen in the air table, and every time you launch a table now you will come back to this screen. You can think of the screen like Windows Explorer or a finder on the Mac. You have the overview about all your data you put into a table, and a table helps you to easily structure your date up by putting it into basis. These are the limits, crazier and into workspaces these already over categories. But what exactly is a workspace in the base? That's what I want to briefly go over in this video. Let's start with a workspace workspaces something like a folder, and it includes all kinds of different basis. Break space has become really relevant in the later step when you think about going premium because a table doesn't have any premium licenses for your account in total. But their table has premium licenses for work spaces, which means you can have premium workspace. You can see here I have still the pro trial left on defy create a new workspace by clicking ed workspace here, create workspace. All this home now you can see I have their free. I come back, you. So that's probably the main difference between the workspaces. I don't ways. You can structure your work basis as you like. For example, if you want to use air table with your family at home and with your colleagues at work, it probably makes sense to create two different work spaces just to structure the basis in there and not to mix things up. So that's the first main concept here on the home screen. The second concept under home screen are the basis inside of work. Speak. Base is probably a short version off database, and that's what we want to create in a table. In general, we want to create different collections off data, and we will store these into the basis. It's really important to understand that your data always belongs to one base and that you cannot copy data between bases, so make sure always to store all the data you need together in one base. As I said in the introduction, we want to use a table to build your overarching business system that you can use basically for everything in your business careful. We want to create a new base in this first, so we click at a new base and now you see you have different possibilities so you can set up your new base. You can start with the template, which is always good in the beginning, because it helps you through structure things. You can import a spreadsheet, which I'll show you in a later video, and you can start from scratch. And that's what we want to do now because I want to enable you to build your table databases completely on Europe. So we click here, start from scratch. We start by clicking at a new base, and now you can see all the different options you have to create a new base. Starting with the template is probably a good idea in the beginning, because there you get a lot of structures already built for you by air table. You can also import a spreadsheet, but you don't have to do it now. You can also do it later. I'll show you the different options in the future video, and you can also start from scratch. What do you want to do in this? What we want to do this time because I want to enable you to use their tape of review to its full potential. So start from scratch and now comes the fun part. First we can give our base and main, for example. It's quickly. Okay, we can give ah color to the space on. We can also select on I can hear Okay, and that's it. Basically no basis already set up. Now with a simple click, we can dive into our base on Here we are. And this is where all the magic happens in the year table and how this magic happens. That's what I will show you in the next video. See you there. 4. The first table | How to start every project in Airtable: in this video, we will take the first step towards our ultimate business system by building our first table on. Do you think about your business? There is one thing you probably already have, or at least wister have. And that's clients. And because I think that's true for basically every business. This is why we start with clients table. So we started up here and name our table the way we want it to be, so simply publicly. Call it clients or it. Now we can name all our columns here in this video, I believe the first column blank because the first column is always really important in Air Table, and it will be the unique identifier for a data set, a data set that's always all the data you enter in one road. And because this identifier is so important, I want to hold it a bit differently, and we will do that in the next five years. So for now, we start here in the second, told him. And if you think about your clients, there's probably one thing every client has, and that's the first and the last name. So we start by clicking up here with the double click on and call it first, Me and no. Here's the next important thing. You're seeing a table, which is the field type. In the end table. You can give you a date out all kinds of field types, and they are really important because they help a table to understand which kind of data is in each column. So always make sure to tag your data correctly. It helps and table, for example, to differentiate if it's a name or a number. Because, of course, you can do calculations on numbers and subtract one number from another. But you can't subtract the name from another one to make. These differentiations that's by a table needs to know exactly what's in the color for our first name, as that's pretty short, we will open up the drop down and select single line text, and that's probably the most standard take. You can give your data, and if you're not sure, always used single line text because you can't go wrong with that one. All right, okay, you can also enter a default text, but because everybody has his own name where you don't need to do it, so we just hits life. Okay, now you already created your first column. We will do the same thing now for the last name, because that's also important for a customer. And we will open up to drop down again and select also single Eyetech, and it's safe again. But probably that's not all the data our customer has. And we want to enter an address, for example, that can be done by creating a new column here. On the plus sign, we will name this column street and single line text fine again so we can save. And we will also need a city which is also a single line text, and we wouldn't need a country also single artist. Okay, we have a client who has already a name and an address. But of course, we also want to reach our clients, which is why we need an email address. Name this column email, and if we looked through the few times in the air table, you can see that there is also an email field type which we can use here that makes it easier in the later step to send automated emails to this address which is why we will select this time email, okay? And our kind will probably also have a phone number. So that phone and there's also a phone number attack here. Okay? Safe again, Andi. Then there are two more columns which I want you because I want to know when I last contact of each flying. Also in a later step, to automate the process to remind me when I have to contact on my client's again on, for example, to schedule another appointment will then just to keep in touch. So I'll contractors, that's what we call my field on. And then I will select a date. Careful with the late you have all kinds of different options in the air table. How you conform it them. And here you can simply select a format that best fits you. So I'll keep that former and you are able also to include the time field if your business is more time critical. But I don't think we will need it in this case. Okay, we have that. And as the last field, I will end the last modified update to see when which record was updated last. So I can always keep track If my data is up to date or not. Well, at another field, call it last data and you will find a special deal. Type for that as well. If you go down to the bottom, then you will find last modified time. That's what we're looking for. And we want to have it look at every field in the table. But you could also make it only look at specific field. But that's not were needed here. And so we just, like, safe on all Editor Paul feels all right. That's it for now. And our first table is now join me in the next video to fill our table with data. See you day. 5. Import & export data | How to get basically everything into Airtable: all right. After we created our first table in the last video, it's now time to fill it with data, and the cool thing is, a table is pretty flexible on getting all kinds of data into your table. Here I found that one of the most popular worries to full on data into your table is to import data from Excel or from Google sheets, because probably you already got some client data somewhere lying around, and you want to bring that into air table. So that's what I'll show you first, how you can get your data from Excel into a table. I therefore prepared a little sheet of some sample data on die. Also included. This sheet in the resource is tab here on your Demi so that you can find the state out there and just use this sheet off simple beta. What else suggest is if you were half each other somewhere. Lying around is to make sure that your columns and air table are in the same structure than they are here in your excel. She that makes things really easy for the import, and you can rearrange and shuffle your columns around later on an air table anyway. I'll show you that also in another radio. If you have your sample data open, what we have to do is simply select all our data here. And then we can just go buy a copy Paste command, see on all minimize the tub. Andi, also like here my first column we want to use now Click Command, be all right. So now Air table assess If you want to expand the table and at all the new rose Also in day that you had in your excel file Or if you want to stick to the three rows you have there is a default. That was pretty easy and fast, wasn't it? I really like this feature about a table and I'm always blown away. How fast that really is. Okay, so if we look through all the data, everything looks good. We have here all the names we have, the addresses of all the emails in there. We have different dates for contact, and we have also the last update of field here. We can see when all the data was editor in this case, and you can already see I, for example, take this guy to Denver. Now add it then. It already changes the time here so we can also see our last updated field works. Another thing we could do is we always have the same countries here. So off course, we could keep them as, ah, single line text. But there's another field type that would be really useful in this case. So I can also now change the fuel type and therefore just double click to feel on. Change it from single line text to single Select because it's always one set of countries where people come from. And so I don't need to type out every time the country. But I can make it easier for myself and also for others who might use this table just to give them a pretty defined set of options from which they can choose room. So shows single, select their table already recognized all the options I got in here, so I'll just kick safe and I'll have to convert to data into this new form. And here we go. Now, we can already see that we have our field, Mel, as a single select field. You can see it now because we get this little error here and now I can just select from the options off countries we have here. I could also enter a new country, for example, maybe disguise from Belgium. So type Belgium. And then you see already that I get the option. Told radio, I'll enter that here and know you can find it here in the list again. So, dead words. OK, I'll just undo that. Okay? And so our customer table is already done. Formulas | How to play with the Excel-side of Airtable: all right. Now, after we brought in all our data from Excel, it's time to make more out of it here in and table. The cool thing is, a table not only has a standard field type to you for the columns, but it also has a formula fuel type, which is pretty powerful. It lets you integrate a lot of functions. You would usually only find an excel, and the cool thing is, you can always apply them here to a whole column. So you never have to be afraid off breaking and formula because you accidentally lead it out off cell in Excel here. It's always set, and you can configure it always for the whole column. And that's exactly what we want to do here for our first column. Now that I told you one of the first videos, it's always important to give you data sets here a meaningful name in the first column because that's basically the name off the data set. Therefore, in this case, we want to give it has a name, the full name of our customers, first name and last name come by, and we can easily solve that are using a formula. Therefore, we double click the field here and we select the formula future here. Bottom formula. Okay. And now we have here our field where we can insert our formula and you can already see here at table stairs. May. But all the columns I have here, So in this case, I can at the first name. And in order to combine things about formulas, you're always empty and sign. And we need the last name afterwards. If we had safe now, you can already see It worked, and it combined first name and last name. But of course, you see, there is no space inside. And of course, we want to have that space in between to make it easier to read. Therefore, we double click it again, and we manipulate our formula in order to insert that space. That's pretty easy. Just at some parentheses and the space bar in between. All right, we know we need another inside, and so we can easily add the space in between. That's in safe and see if it works. Yes. Looks good. All right. So best how we can do that. And later on, when we link tables together, it will be harder to identify from which table some records came. Therefore, I always like to include a little emoji here in the first column, which makes it easier to recognise, okay, desire to contact. And they are from the client's table. So therefore I go to emoji PD A, which is a great resource, by the way. And I already selected the best in show emerging, and you can simply copy that we protect our table. And then we want to insert that in here. That's also a great functionality, by the way that only edge table has. And it's really not bad. Easy and excel, for example, to work with the emergence on the table. It makes it really great to find a way through your data, because emerges are really good to guide you huge amounts of data. All right, so now we go back in here and you are formula and will set some parameters, feel agan paste or emoji on. And then we need another and sign here and we can hit safe. Let's see perfectly that work, all right, and that's how easy it is on the table. To add some formulas by the way, there are tons of formulas in and table, and I thought a lot about it if I go through every formula in district area and I decided against it because you will find a formula for every specific case. But I cannot address all the specific cases, and you would be pretty tired after watching three young for me. That we do is probably so. That's why I decided against it. But what I will do is I will include you the Formula Feud Reference Guide from Air Table, which is a great resource where you can find all the different kinds of functions that are available in air table on. For example, if we go down there, then you will find every formula to get over the little description, what it does, and so you can find a formula for everything. Also, if you need help with any formula, just dropped me a note in the comments. All right, so that's it for this video, and I hope to see you in the next one 7. Arranging data | How to combine Airtable and Feng Shui: in this video, I want to show you two functions how you can arrange data in air table that have saved me a ton of time already. The first, it's about rearranging columns. Remember these times and Excel when you wanted to swap two columns and you had to insert another column, copied accountants from one to the other column, copied IATA, called him around there and then the lady column in between, I had to do that a lot of times. And so I was so happy when I found out about this great feature in air Table that you can simply drag and drop a column wherever you need it. And the great thing is, that doesn't only work for columns, but it also works for the rose, and you can see here as soon as you go over there, your medicine becomes a little hat, and then you can simply grab and drag and drop the's names around. So this is really a need functionality that you can rearrange all your data with Dragon brought another really useful functions. The function to hide fields. You already see it up there and what this little wonderful button does is A soon as you click it, you can see all your columns here and you have this on off button you already know from yours. Marry from probably. And what you can do here is simply turn the columns up, and now our people got about smaller. This can be really helpful, especially if you have huge tables with a lot of columns. Just decide which columns you want to see and wish you want your height and so you can easily navigate through your data without scrolling through the rightful often our. So that's pretty great. And as soon as you want to bring them back in, just turn them back on here. And that's it for this video. I hope you found it as useful as I do see you in the next one. 8. Group data | How to build visual clusters in seconds: all right. Now, after we have learned how to arrange our data, I want to show you another neat feature of air Table, or you can make more and quicker use of your data. Next, we want to look at the group function. You can find a group future up here in the menu bar, and it does like the name says. Route your data by a selected column. Simply click to a group button here, pick a field to group by and select one here. In this case, country makes probably a lot of sense. So all the group by country and you can already see how your data start shuffling around. And, no, it's neatly group by country, which makes it really easy to identify. For example, all customers from Canada here. It's also pretty useful, especially if you have big data set is that you can expand and collapse all your groups, so simply right click here and collapse all. So now you can see all your groups you have, and you also see the count how many data entries they are per category, and now you can only expand the record of interest to year for example here, the United States. If you want to have all your records back in the first few, simply click with the right and click expand All. Another great functionality that comes with group feature is that you can summarize your data, and you already see that here in this field you get account off your data and for all the other fields. You can also do that if you want. So, for example, if you want to have another county, for example, you can True Summary and Phil. If you click here again, you can also elect by percent or anything else, or simply kick none because we have to count already here. But it's probably more interesting. For example, here for the contact. They there we can select it, and we can, for example, look at the latest state. So here we can see here in the United States. The last time reconnected with one of our customers was at the end of August, and so you can easily make sense of it down here. You can also see it for the whole table, which is also pretty helpful, and you can select all sorts of summaries like for example, also the date range here and many more. It also works with numbers. And, for example, if you have all the orders in here, which we will do in the latest step that are placed by a customer, you can easily summed them up here in the group French. Remember in the beginning, when I told you it's really important to name every column correctly. This is now where it really pays off, because when naming your column correctly, then air table can recognize arrived, disses it eight, and then it can offer you all the specific summary function or a date. There's one more thing that's interesting about it, because it's a possible not only to grew by one field, but you can grew by as many fields as you like. So you could select here another few to group by, and you could select, for example, the city. In this case, we have always believe only one customer. So you in the next one where we will learn about filtering. 9. Filter data | How to build digital nano-particle filters: all right, let's dive right into filtering after we learned about grouping. It's not that hard to learn full during because it works pretty much the same way, but it also comes with its own need. Functionalities a table does really great job with filtering and grouping because so much more powerful than any spreadsheet software that Google sheets or excel, and it saves a ton of time. Let's that right in. As you probably guessed, you can filter here with this little button called Filter, so simply click it, and here you can enter your criteria. For example, we could select here the field we want to use like the country feel, and we could select an option. So, for example, if we want to filter for all customers in France, simply click it. And now you can see here we get all the customers living in France. Another need feature that Air Chamber Council is that it always colors the column, which you're filtering. So if you're not sure if the folders applied, you can simply check if one of the columns is colored or also up here. One of the icons there is colored. The good thing is that we cannot apply only one full too. But we can add as many filters as we want, so we simply click. Add a filter and the only thing we have to decide is if it's an end or an or filter. So, for example, if we want to have all the customers living in France or in Germany, then we can select or on beacon like country again. Is Germany all right? And in that way we could select growth off these countries. If that is not enough for us, we could also select another filter. And we could select, for example, where our country is also United States. So I think you get the point, so it's pretty easy to do dead. But the multi select field there would be also another option to filter. All right, and that's how filtering works. And if you want to remove the filters, it's the same game like with grouping. Simply hit the little X button and de select your filters. Sort data | How to sort your data in every direction possible: All right, We have one more data arrangement video to go and then we know basically everything about that topic in a to you. So far, we learned about arranging our data by Dragon Drop. We learned about grouping filtering And in this video people talk about sorting, which is the last functionality It works as you would have probably expected. With this button up here, that button you can click on you can pick a field to sort by. So we could start by sorting by country, for example, as we did before with the group in the filter functionality on gear, you can see now we have everything sorted my country. The cool thing is that we can leverage the data declaration again. What I talked about earlier because we told Air Table that for example, our date is really a date. We can also sort by dead. So, for example, if I kick contact, then we can also fill their from one tonight. Here. So you see, now we have everything called it that way. Additionally, we can also include multiple folders so we could select another one, and maybe also filter by first name and you always see here you get a lot of options you can choose from.
