1. Introduction & Course Overview: - Hello . I am Mark Metallic and I am being SharePoint developer for sure. Port 2010 up to 2019 and also online. I mean, also see sharp developer and .net developer. In these basic course, I will teach you some basic principles off SharePoint 2019. Okay, so we will now go very briefly about the scores structure. This course is divided into some logical categories and each contains some video lectures. In these lectures will cover topics, boating theory, and in practically after lectures, there will be some kind of squeeze where you can test your knowledge. And in the end, off each section there will be some materials and documents that will sum up what we have learned so far. So what we'll actually cover in this introductory course. First of all, we look at the basic sharp insight with our domain navigational components and basically how to use SharePoint. Next, we will go through every fundamental building block off SharePoint that everyone who wants to use SharePoint must utilize in each category off this course. We will talk over some little bit advance steps. Did you can use in everyday work with SharePoint? And lastly, we will look on some very simple, real life example off SharePoint usage 2. SharePoint Environment: Now we re a little bit discuss about SharePoint environment. Mostly SharePoint is used mainly for document management systems. These means when you or your company have lots of documents and you somehow needs to store them. You can use SharePoint storage, but not only that. Mostly you will need to somehow control, for example, permissions on these documents or collaborate on them with your colleagues. Sometimes you will need to manage your origin. Ink off your documents, get back to some earlier versions. And so for all of these, SharePoint is an excellent option to juice. Moreover, SharePoint nowadays is not only used to commit management but also for some kind off internets for companies. You can, for example, is a share information between different departments off your company. You can have separate sites for each department, and you can also share some news or information and so on. When you really serpent, you will probably work on Microsoft Technologies, but it is not necessary to use Microsoft products like Windows or office. But if you want to utilize SharePoint for maximum, I really recommend you to use these Microsoft products when we want to talk about servers or clouds. SharePoint works on both of them. You can have your shop under physical server somewhere in your company. But you can also have your shirt on hold stating clout inside one off the Microsoft data Centrists. And lastly, SharePoint is not free. Mostly, if you will be using SharePoint, it will be through your company licenses, so you shouldn't worry about the price. 3. SharePoint 2019 quick look: in this lecture, we were a little bit to look at SharePoint. What are the main navigational components and simply how SharePoint 2019 looks before we jump into the SharePoint? There are two things you must realize. Firstly, SharePoint is my base platform. These means that it is simply a website, the Duke and view in your favorite Web Roeser, like Google, Chrome Edge or Firefox. Moreover, in most cases, you will Logan into SharePoint using your logon name and passport. Did you are using on your windows machine? So here we are in my SharePoint site. You can see that I am using my Google chrome to access it. It is available on this particular side, but in your company, the euro will be slightly different. So we can see that on our top. We have this black ribbon bar wait icons like sittings or help our option toe sign out under this black ribbon bar. There are our navigational my news. We can see that there is some surge books to search for documents or items. And under these is our navigational menu. Now we can see when for example, we could documents. We are taken to my commands library. When? Where? I have some testing documents prepared. We can also see that I have some pages library where I have some pay. Jeez. And we can see all of the content off this site by clicking off side contents now. So simply we can see that the never the navigational components are on the left. That is menu and on the right, that is our content. 4. Sharing of Information: so we have already seen little bit off SharePoint. But to understand its purples, we needs to look a little bit too history off. Information sharing from the beginning off the human evolution one off the key aspect. Waas to somehow share information with others, their 1st 2 that we were using the's times Waas simply our mouth and speech. Right after speech, Human Started to Spain tings on rules to preserve information for the use off others Later . In our evolution, we have developed paper. This was a little revolution in information sharing because it was relatively durable, cheap and easy to boat produce and news. But in previous century, human started to build computers and there was a need to somehow preserve and share information to other computers and humans. This was possible while CDs, DVDs or yours mystics. Although these stools are still in use today, their use is declining. After computers were starting to spread worldwide, there was a need to allow computers to communicate with each other. This was made possible with computer networks in a small local networks. We can use shared files or all folders to communicate and share information with each other . But when you need to cooperate with someone who is on the other side of the state or even world unit complex and more advanced network like the Internet, Internet Talos, US too busy share information and cooperate to eat others independently on our time or place, we tell off the Internet. We will probably use some kind off information sharing system. They will be storing our files, managing access right and making them available 24 7 and so. And of course, one off these complex and robot systems is a probably guessed is SharePoint. 5. SharePoint history & different versions: before we jump right into the SharePoint, I want you to know a little bit off. It's a story, Don't worry. You don't need to memorize this, but I want you to know some basic differences between different share points that are out there. So it all began in 2001 when Microsoft decided to develop the new product, called SharePoint Portal Server. This product was supposed to be a platform for document and collaboration management. It was built for big companies with lots of documents they also released. And why do eight version off its for a SharePoint called SharePoint Team Services Next. In 2000 Free There were released new and improved version off vote off these products after four years. In 2000 and seven, they released new versions with a little bit different names. SharePoint Portal Server Arable, renamed to Microsoft Office SharePoint Server. Shortly most. They also continued to release the lightweight version off SharePoint called Windows SharePoint Services. Where was run 3.0 in 2010 they renamed the free and lightweight version SharePoint Foundation. They have also split the commerce overs and into to sharpen server and sharpen enterprise enterprise version contains all of the available functionalities of SharePoint. In 2000 13 were released new additions off foundation server and enterprise. But in this year, another, a little bit different version was released. It was called SharePoint Online. The main difference between online and other SharePoint versions was that online was hosted completely in Microsoft data centers, so you didn't need your own service and infrastructure. Another big difference was that SharePoint Online course license subscription. That means you pay every month or year for using this service. In contrast with ship server and enterprise very simply paid on ones for one license. In 2016 there was a big change in sharp on licenses. Microsoft simply stopped the free addition off Sharpen Foundation. So from year 2016 sadly, there is no pressure point. They also continued off SharePoint online development. Nowadays, for 2019 there are also licenses only to share points tonight, Ian Religions and SharePoint online. In future, there will probably be also only paid licenses for SharePoint 2022 SharePoint online. Here we can see the different versions between free and paid sharp. When versions, we can see that There was always some free version from the start in 1 2002 year 2000 and 13. But sadly, this was the last free version of SharePoint. From then to now, we have only paid licenses for a new share points 2016 and 2019. 6. Classic vs Modern experience: in Sharp. Born 2019 there are two options off user interface or sometimes knowns s user experience. The 1st 1 is blessing experience. The classic experience is here from Sharp 2000 and 13 and it's also in 2016 19 and online. So we have already seen some quick look or SharePoint, How it looks out feels and to briefly show classic design. We can click side contents and cried here on the left bottom. We have linked toe classic SharePoint. We can see that the design has slightly changed. The icons are different. The content off, for example, library is slightly different. Or, for example, our pages are slightly different that we have seen before to return toe modern design. We can simply click on de Sling, and it will takes us to our modern design. So this was the classic experience. But in Sharp or in 2019 and online, Microsoft introduced new user interface design called modern Experience. So we have already seen our classic design, and we have also seen modern design, modern design stick pickle. It eats more than icons or modern navigation. We can see that the content is spread across across the whole page. It is also response CEO, and it it looks simply more there. So this waas brief illustration off classic Mother and Experience user interface in SharePoint. Usually it is up to you or your I T administrators to decide if you're really was classic or modern design. In this course, however, I will be using modern design because personally, I think working with this a smoother and faster modern design also supports a responsive design on mobile devices, and it's integrated into sharp on online, so it has a lot of advantages in contrast to it classic and older design. 7. What is Library?: So what is SharePoint library? Simply you can think about sharpen library as some kind off file storage. You can put their your files, change the permissions, change some data about these files, and you can also download these files and so on. So here we are in my look Humans library, and we can see that it is currently empty. So, for example, I want to stole them some files. So I opened my disk, the folder and, for example, who I choose these free file stool story. In my documents library. I can see simply track them toe the sly berry, and they are now uploaded in my SharePoint. We can, for example, also delete these files. So if I want to really did a snake so file, I can simply check it and click on delete. We can also see that these files in the Commons Library have some kind off fields we can see that we have Here are name, field, modified field and modified by field. These are default fields that are in each SharePoint library. We can also have our custom fields, for example, some text or some choices. True or false, or maybe links to our websites over there, but we will. We will go through them later. In the course, we can see that we are using this. The cerebral bar that is called Command are we can see we can create new documents or we can simply upload documents or folders. Or we can even synchronize this document library to our computer. On the right side, we can see we have something called views. This means weekend, for example, of you. Icahn's off our files or slight different list. And we can also have different views for our different fields. Right next to it is icon filtering. So, for example, if we want only awards, we can check here and we can see our we always now filter it. There is also one useful functionality in Ward and that is open and Microsoft Office products. So, for example, if we want this world to open in our Microsoft wort, we can click here on three dots and we can hit open in a worst. This simply opens our Microsoft Awards and we can edit this file, for example. We can save it and in these now saved in our show, opened library. So, for example, we can close this world and we refresh the government's library and we can see our words. Waas changed a few seconds ago. This means that we edited this particular words in our Microsoft world and it is already saved in our SharePoint. So no need to separate Lee downloaded this world and open it manually. It is all done in cooperation with Shepherd. So this waas a brief introduction to library. We can see that the main functionally days are that libraries file storage, we can get at it or delete files. We have some fields or meta data. And for navigation, we use common bar where we can find our actions, views or filters. And we can use some handy functions like open and Ward, Excel or PowerPoint. 8. General Library settings: So, for example, we want to create a new library. We can go in our side contents, and here we are in our contents. And here we can see this little icon called you. When I click on it, we have the option for you. Document library. We must enter some name for our library. So, for example, distinct library and the description is optional. We can hate create, and we are now in our new testing library. And for example, we want toe change This title toe something special so we can go here in sittings icon and click on library sittings. These are all sittings for our testing library. Each share upon library. Have these particle our page where you can customize your library. So, for example, we want to change the title so we can hear and we can change this thing. Libraries. It's some special library, and we can see that our Tyto Strange and when week here we can also see that its title It's change. This also change in our may. You So, for example, we can upload some files again to eat, and we want to it some some other meta data than these free we can hear on this plus icon. And we can, for example, at single line off. Next, we must choose some name for these fields. For example, we can under the Stinchfield and we need safe. And now we can see we have our special testing field available in this particular library. So, for example, we want to some text to it. We can hear or quick edit, and we can insert some text to the each file in this library. So for example, 111 Do do dio briefing for and we can see we have our text right next to our documents. We can also create you views. So, for example, we want to have do views on this Lukman library. One will be displaying, uh, files, wheat ones, and the other will be displaying all files. So we can now click back on our library sittings here and all the way down. We have our views. We can see that we have already our old humans room that is shoving all the elements. We can also create new room, for example, we want to start from an existing glue and we want to name these room owns some distinct have you And we want to feel through these items displayed in this view so weekend we can hear in this filter category on show items only when the following is true This means that it will show items only if the condition defined here is true. So for example, we want to show only items that have our testing field equal duel once you can click on OK and now we can see we are in our testing view and we are seeing Onley This article or foul that has this field entered this once We can also switch back to our all the humans view where we can see all of our documents in Serpong libraries, we can group our files into folders just like windows. So we want to create new father. We can click on new on you can click folder on a distinct folder can create on. We can simply drug this file this folder and we can see that our file is now in our distinct folder. So these were general library sittings have created new library We have changed our title in our ivory sitting page. We are also created Newfield new views and new folders 9. Advanced Tips: So we have our libraries. And for example, we want toe truck and control our changes. Two days files. So, for example, we want to know when somebody or even me change this file And what have bean change. So, first of all, we need to turn on our burgeoning. This can be found here in library sittings. And here, inversion in sittings. Here were our major versions already. Front on this means that when somebody we'll make change to our files, it will create new version off this file. So, for example, when I upload the file, it will be version one. When I change something, it will be version two and so on someone so we can hear on. Okay. And we can go back to our library and, for example, we need toe. We would, uh, version numbers off these files. This can be also done in in current view and it moat so we can click here on our views on. We can click on edit current view. And here we are here we have the fields that we can have in our view, and we can see that the version field, he's here on the bottom we can think. Check it and we can hit. Okay. And now we can see that we can see our versions for these files. We can also see that this file is already where to? Because I have edited this text field to these numbers. So, for example, when I hit quick a date and I change something, it is over a diversion free. And for example, if I opened these documenting extra and let's change something, the file se andric closed these. We can see that this file should have now wears and four. And if we want to you our version history. This can be done here on these three dots. And here we have our version history. And here we can see how versions start to our current arisen. We can see what fields have been changed. And we can also see that the size is slightly different because I have something changed if we want to restore our changes back. So for example, we want to we want to restore our data from version free. This can be done easily by looking here, and 18 restore. And we can now see that the file content is from introversion free. And this also creates new version. That it is very isn't five. You must notice that insure point, we will never go back inversions. With each change, we will create new weapon. So it is now wears in five, not free. So these were Document Version Inc and some advanced IP is check out and check in. Check out means that if you check out some files for you, they cannot be modified by someone else. So, for example, I want to check out this document to me. Can you hear more and check out? And now this file cannot be modified by nobody other than me. If I want to check in this file so everybody else can make changes to this file again. Pickles Here it's more. And here we now have our chicken option and, for example, I can add some comment. I have made my changes and we can hit on chicken. And now the file is not check out for me so anybody else can make changes to this file. So these were some advanced tips. We briefly showed how document burgeoning works and how Check out and check in works 10. OneDrive: So we have our files in libraries inside SharePoint. But, for example, to ease of use, we want to edit our files in our BC without, for example, opening our Google chrome and accessing our SharePoint sites. This can be easily done. Wheat one drive. So, for example, we want to synchronize this library wheat, our one drive. We have already our one Dr set up here on ABC and we can click here on sinks and new library and we can simply Kobe the sling to here. Anyone can hit since now and now this particular special library, it's synchronized to my BC. So, for example, if I opened this folder and if I open this ward, this is the world that taste start in our share points. For example, if I James something safe and if I go here in SharePoint, I can see this file or small defied a few seconds ago by me. So, for example, if you don't want to open your SharePoint site and do most of the time, work only with files and you must somehow stole them in SharePoint, you can easily synchronize your SharePoint libraries. Wheat one drive and you can easily change the files on your Basie without opening a sharp on site. Some disadvantage is that you cannot view these fields inside these windows. Holder. That is some disadvantage that some users will be. Okay, We did, and some will be not okay vetted. And they will use classic SharePoint editing inside inside local crop. So it is up to or to Jews. So this waas under half we briefly introduced our synchronizing magnitudes with one drive. We show some differences and we also showed how to synchronize our SharePoint libraries. 11. What is List?: So we already know what are sure libraries. And now we will talk about SharePoint lists. So basically, least you can imagine a some kind off Excel spreadsheet where you where your records and U . S crows and you have your columns as meta later. So, for example, here we have this testing least which has exactly one field gold type. So, for example, if I want to it some records to this list, I can click on quick edit, and I can simply time item one right to or right then pretty. So now we have free record records in this testing list. Records in SharePoint lists are named items. So I don't one. I took two item free, exactly like in SharePoint libraries. Also in the SharePoint list. You can use this quick edit function to easily edit this items, for example, or we can also simply delete this item. We can also create new item here in our command number, and it will display this little deal here. We can insert, for example, four and safe. Now we have our free items in this list, and also like in libraries, we can have different columns or fields here. So, for example, we want to add new fields off type next weekend and three text field on. We can hate safe. Or maybe we want to add some date fields truce here, date fields. We want to it time in this field and we can It's safe. And maybe we want toe at some choice field. So weakened Joyce Field. And we want to be able to choose from these for choices on gun safe. And now, in our quick edit, we already have this free fields, for example. Just we can do some data here and also we can choose our choice just free. So simply it is very similar similar to our SharePoint libraries. But instead of files, we are storing our items here in lists, just like in libraries. We have our views here. We can simply create new muse or modify these real. It is up to us what views we will need. We can also feel true. So for example, everyone on the Artem one over four we can filter. These items are slagged it. Another filtering option is here in our fields. So we want to filter fields on live it test here can hear on the little icon and we can fields by and we can test. And this filter will show us only items wait best inside this text field. So our release now filtered. So these were SharePoint lists. We showed how to create new items out, Eddie to them and delete them. We are also family, our weight, our and a quick edit function. And we have also hear our common bar where our actions views and filters. 12. General List settings: So now we already know what our shot list so we can go it and maybe create our own least. So here, in upside contents, we can click here new, and this time we will be creating a new list and we can name it, for example, special police. It's now we are now in our special list. So, for example, we want toe change the title off our list. This can be done easily. List sitting space age just like in libraries. So here are some things are gone. And here we have a list sittings and we can click on least name and change its Jim very specialist. Can it save and can go back toe our east also just like libraries. We can easily it new columns and customize this room. So, for example, we want toe it new column. And now, for example, we want toe. It carries infield. Terrorism field can save and maybe we want toe currency field. Can it save and slashed? Lee, we want to some I brilliant. We can eight safe and they really want to new our terms. We can simply click on you or click on a quick edit personally I most of the time I squeak edit when I want toe it multiple items in a single time so we can go ahead. Let's straight. One person fields will be re and current seeming 50 on dealing will be on Do we have some error here? Yes. And it says it is invalid You are well so we can hear on this icon and we see that the euro must start to it HDD be so for example we can indeed year and we will try. And this this term it missed so we can see we have I turn with Harrison Field Currency Field and our link field also like in Sherpa libraries in SharePoint list You can group your items folders so here on you But this time we can see it is already form for a new item by default in sharp on list You cannot get new folders You must sit this inlay sitting space So connect Cancel and we can go into slits settings And here it wants sittings. We must choose We must choose the Magnin Further comment everyone able to Yes And by now we should be able to create new folders in our list. You cannot distinct older and just like libraries dropped. Drop I them seen our folders. So these very generalised sittings we showed out great new least how to change some basically settings in setting spades how to change for the title or fields and create some views, or maybe create folders. 13. Advanced Tips: Okay, so we now learned how to create lists and how to modify them. And here are some advanced tips. So the first step is Look up, Look up is a special kind of field that you can create boat in least or libraries. It means that one item you will have with the link do the another act. So, for example, in our very specialised we want to add to look up to our distinguished. So, for example, in this item, I want tohave link two items in this list so we can hit click on plus and we can that you look up which is not here so we can click on more. And now we have a real cup here. So we can at cold name like to another list and here we must choose from what list We will be getting our items. So we want to choose our testing list and we want to show our title from our testing the least in this particular column in this very specialist so we can hate. Okay. And now we can see we have our cup 50 year. So, for example, we can hate quick, and it and we can Jews. Some item from this testing list. So, for example, I 10 22 exit quick edit. And now we have this item with the look up toe item in this testing list. And here we can see our information off these items from our distinguished so it can close these. Okay, so these hook ups and another did in SharePoint lists is Excel export. So, for example, we want to create some reports and we need to data to be stored Teen Excel spreadsheets. So, for example, we can eat on our testing list, and we can export two excel. Now it will download this little file here which riel open excel by default. Microsoft Excel security Notice Real show this morning. But we can trust our own SharePoint so we can enable these. And here we can see our data from our testing list showed in excel. We can filter them here. We can make some reports, maybe from them, or we can save them and sent to our colleagues that have no access to the SharePoint. Maybe so. These waas the Excel export function, the last tape to the SharePoint list will be excel import. So, for example, we have our data in Excel Spreadsheet, and we want to import these data into SharePoint. Doing doing it by one Records at the time will be where time consuming. So, for example, we have this excel Datar, and we want them to be imported into excel so we can simply control could be them. But this time we must use Internet Explorer because it is not going to work in a home or Firefox. This function off importing data from external is available only in Internet Explorer. So here we have our Internet Explorer and, for example, I won't toe be the data Coupet inside this testing list so we can hit quick edit. And we can simply based on the data here. And we can see that importing data from Excel is pretty straightforward. But you must steals Internet Explorer for this. So these were some advent steps to Microsoft SharePoint lists. We showed that lookups work, and we also showed how excell export and import works 14. What is a Page?: so we already know how to create SharePoint least and libraries. But sometimes you need to share and show some kind of information, like text or images, or maybe links to other side. And so and exactly for these propose is a SharePoint page. A sharp in page can be used to share content and information. Chirping pages are typically stored in their own library. Cold side pages library. Each SharePoint site could have these site page library. We create SharePoint beiges using departs. What parts are some basic and small component that we can use in our pages? So, for example, when we want to make a page which real display some text or image, we can insert the next to rip apart and immediate part. And lastly, we can add these pages into our navigation Aminu and then users can simply click between them and other SharePoint, least or libraries. And so so here we are in our SharePoint. And but suppose I want to create some chirping page which will be displaying since similar to this page, some image and some text so we can go ahead in my side contents, and here we have our site pages library. We can see that I have already created some testing pages, but we can also create some new so we can click on you and hit site page. So here we can see we can enter some name for our page. So, for example, let's center, don't you best stick page. And this is our page title below that we can at some were part of it. So we can click here on this little plus sign and here we have somewhere parts that we can get on this particular page. So, for example, we can add some text and we can start to type sound next year. So, for example, Larry stink text. We can say that we have some options here. We can make bold or we can make detail IQ. We we all know that's from Warner. I think so. Next we want toe and maybe some image so we can again click on this plus sign. And here we have our image with parts. But now we must applaud our images so we can use them in our So, for example, we can click, upload, and we can find our images. For example, the stubble. It image soap in it and we can netted his image. And we can see that on this page we have our page title. We have our text with part and we have our image with, but we can it safe and close. And now we can see our page iss this. Others will see it. And if we want to Maggie's Beijing our menu. We can simply hit edit under this menu, and we can, for example, it here. And we can simply copper based this address, and we can say that our new listing page is already available in our menu. 15. Page webparts: Okay, so we now have learned how to create our in your pages and insert them into our menu. And now we will look a little bit on available the parts that we can use on our pages. So first of all, we have created this page with some text were part and image with about and let's suppose we want to have some simple gallery instead off this image with But so we can hate on this little recycled being and instead, off image rip apart. We can insert here no other parts now we can. And why Richard Issue and we can now see all available parts. Did we can add to this page? So we wanted to it some gallery and did this right? Next image. And we can, for example, a float Neese free files. And we can now see that we have some simple gallery with these three images. Okay, so we have our text and art gallery in this page, and let's suppose we want to it some display off some least or SharePoint library. So we can click here on this little plus icon again and we can hit on list. And now we must choose which specific least we want to display in our page. So, for example, we want to display this very specialist, and we can now see that we have a special view from this list on this particular page. And we must realize that when somebody enters new item on this very special list, it will also show on these weapons. And we're already it's some least and it is pretty straightforward. Tow it, libraries we can plus and we can eat look, Ament, library. And again, we must choose which the human library we want to show on this page. So, for example, we won't show our special library, and we cannot see that our special library is now also showed in our testing page. And now, for example, we want to show some evidence. So weekend again, click on this plus sign and choose our events with part. We can add some text so special you runs and we can see that it some even the year to this list. It will show on this particular page so we can, for example, save this page and we can add some even to it. And for example, it will be our special. You want that And maybe where New York and category should be Maybe meeting we can add some description off this evened and we can hate on safe on doing we will navigate big toe are distinct page We can see that our special event is already displayed here. So these were some basic page rip arts We have showed how text with bad work image gallery with parts works We're also in its some least library with parts. And we have also seen how evens artwork. It is really up to you how we will be designing and creating your own pages because it is really up to how we want to share information with others you can trust these were parts or you can program them My yourself it is really up to. But I think that for basic pages to show content and information, you really don't have to program anything. It has been already bean built in tow, basic SharePoint with parts 16. Homepage: so we already know how to create our own SharePoint pages and how to sweat parts on them. But let's suppose we have little information, a lot of pages, and we want to display one specific page for all users when they come to our side. This page is named home page this default page for one SharePoint site and logically, we can have only one home page, for one sure going sight, and it is supposed toe show the main information from our side. So we are now in our SharePoint, and we can say that if I enter base euro without anything, it takes us to the your oxide pages and home page. And let's suppose I want toe set the home page toe this testing page that we have created earlier. So for that we can go into our site contents. And here in our sad pages, we must click on these three notes to our page that we want to make home page, and we have here on option to make this page home page so straight, and we can now see that we are automatically taken to this hour testing page that is now our home page. So this paid should display our main content and main information that all users should see 17. What is Site?: So we already know how to create a least our libraries or pages, and now we want to somehow group them to the sides. For now, we have already seen only one side that wants my roots act that was signed where I was creating all of my least well of my libraries and all of my pages. But let's suppose we want to create another side for maybe another department. So let's suppose we have lowered your organization when we have some kind of departments, for example, our I T department or R H R, or maybe finance. And usually we want to create for them their specific sites so they can at their their specific content there specifically store libraries and their specific pages. For example, let's suppose we have these three theater structure and we want to somehow many treat on the top. We will have our roots side where we will share the information across all these three departments. There should be some news from our CEO or simply our shared news, and under this route site, we create free subsides each for our department, so one side will before I d. Second sight will be for our HR department and first side should be for our finance department. So here we are in our SharePoint and to have you ever and toe you or maybe create new subsides, we can go into our site contents. And here we can see we have our subsides option. We can see that I don't have any subsides yet. So I can eat you and create a sub site. And for example, let's name it finance. We can leave description empty, and we must do some your own name. So for example, we enter here finance, and we want toe juice. This team side template, we will cover templates later in videos. So for now, let's true steam site on and sweats. Leave this. This this and we can hit, create. And now we can see we have our special separated new site for our finance department. We can also see that in the euro it is slightly little bit changed for now, we were only on this. You are Ah, you were ill. That is our route side. But in our side contents and sub sites we have already are violence site. We can see that it has its own navigational menu own signed contents, own documents, and we can create their own least and libraries under these side contents. And we can also create a new side pages to for our finance department. And it will be the same for our I T department and our HR department. So, like this, we can separate informations between our departments in our organization. 18. Site templates: so we already know how to create new subsides and how to create content to them. But what? Suppose we have a lot off departments, a lot of projects or maybe a lot off subsides that we want to create. It will be very time consuming too. Create each site and to create each lists and libraries on these new sights. And exactly for these are in SharePoint side templates. So, for example, we create one side and we create all of the content on it. So, for example, we create some lists and libraries on this side, and we cannot also create some pages on this side. And then we saved the site as a template. And from this moment, we can use this template when we want to create that exactly specific side from the standpoint, the new site from the stem played will have all of its contents. So we will have their off least all of our libraries and off our pages. So here we are now SharePoint and not suppose I want to make template from these particulary SharePoint site so we can go here into side sittings. And here we have the option to save site as a template and for example, we name it Testing template. We can also be decent template name and we can live template description empty. And we have the option to juice if we want to include content. This means that now this template will only contain the definition off our lists and libraries. There will be no files and no items in this template. But let's suppose we want to copy our files and items into this template that then will be used in new subsides created from this template. So we can check this and we can click on OK, so we have now our side simply it ready, and we can click OK, and let's go create another sub site we can at some title, so some distinct upside this thing. And here we have the option to select a template these template, our SharePoint basic templates. But our custom template is here in these custom top and you can see we have year our testing template and we can leave. This is days and we can heat on create. And now we have our testing subside, created from our side template created. So we can see here inside contents. We have all off our lists and libraries from our route side. But we can see we are now on our testing subside. And our and on our route side, we can see under sub sites Did we have now to sub sites? So this where sight templates and creating a new side from a sites template. 19. Site collection: so we know how to create sides and subsides and how to create content to them. But in SharePoint, there are also cite collections. So what is the side collections? Basically, it is a group off sites and subsides. These means when we have a very large company with large structures. Instead, off using only just subsides weaken news site collections, indifference between sites and sights. Collections site collection can be stored in separate database. So, for example, who wants to pick up our SharePoint? We can become only one side collection at a time, and another will be functioning. Or we can migrate only while one side collection to the completely different SharePoint. And so when then? So so For most users, it is very abstract term. Because sad collections are created by your SharePoint administrators and for side users, they are almost invisible. And there is, and there is one. He expects that each side collection contains one ruled site reviews in days scores. We have only one side collection and the very first site where we were creating our lists and libraries. It was this route site. So here we are in this SharePoint and we can see, for example, this It's my one site collection. This It's my also route site, which contain stew, subsides 20. Hierarchy: so to better understand the SharePoint here are fee. You must realize what our side collections, what are the roadsides and walked out of the subsides. So here we have our pretty much basic SharePoint here. We can see that in our top there is a Web application, for example, Internet. Don't your company go to go under this? We have our side collections. We can have only one side collection, but in very large companies, we tend to separate departments between side collections, not between subsides. Under each side collection, there is one group side which can help and other subsides. It is not necessary to create subsides in route sides, but we can have multiple subsides in these routes, sides or subsides. We have our list libraries with field items, and we have also Beijing's here. 21. What are SharePoint permissions?: so we already know how to create least through libraries, pages, sides and we have also some basic knowledgeable site collections. But every time you are creating something in SharePoint, you must consider some permission sitting. These means what I want and will be displayed to some users. And what content should user. It's on the edit or only view Ansel. And so so here we have our SharePoint structure, and we somehow want to control access to these sides or items or released or whatever. So Inter Prince there are multiple scopes in our hair. On the top, we have our side collection administrators. These administrators are usually your SharePoint administrators. Under these, there are science provision. So, for example, we have some sites for our I D and another site for our violence department. We should consider that may be for Finance Department edit. Permissions will be granted to finance people, and others should have only rate permissions, undersides, permissions. We can have also our lists and library permissions. So, for example, someone from Finance Department should have edit permissions on may be invoice lists, and others should have only read permissions or no provisions on this particular list. It is really up to how we decide to manage and control your access your SharePoint resources under released and library. We can also have specific permissions on items and files. We must consider the inheritance off permissions. These means that basically, for example, if I change permissions for my route site, these permissions will be applied also for it subsides and it's lists and libraries. So here we are in our SharePoint route side and, for example, I want to change the permissions for my testing list. We can click here on three dots and click here on settings. These real takes us to our least sitting paid that we are already familiar with it. So let's change the permissions for these least and here we can see that the least ISS now inheriting permissions from its parent and its parent is our SharePoint site. But for example, I want to stop inheriting these permissions and we can okay, and we can delete every permissions. And now, for example, I want to grant permissions only for specific users. For example, I have my account, this reader and for example, I want to this account toe have only rate permissions on this whole least so we can meet share And I can grant permissions to another account, maybe a detour. And I won't do these accounts toe a edit permission level so I can click on share. And when we refresh this site, we can see that now a spirited ER has only read permissions and SP editorial Harris Onley edit permissions 22. Permission levels: so we now know how to set permissions, and there are multiple levels that we can set to our users or maybe our groups. So first of all, there is a full control. It is basically all permissions that you can imagine. You can create new sides, delete sides, great new least great your libraries, edit pages and so on. Anto Under these is designed permission level you can create and at least and libraries or pages, but you can create sub sites or sites or change side permissions. Under these are edit permission levels so you can still create and at least or libraries. But do you cannot also create subsides, change side permissions or proof items with contributes permission level. You can create items, but you cannot, for example, create least or libraries. And we totally read professional. Well, you can simply rate items, and you cannot do pretty much anything else. 23. Publishing: So we now know what our SharePoint permissions and what levels are there in Sharper. And let's suppose we have some users that have only rate permissions, and we have other users that have also edit permissions. And let's suppose the user suit edit permissions should see their documents. They are editing wheat there changes. And let's suppose that the users treat permissions should see only the finished documents that hell no mistakes, maybe, and that are properly finished. For this in SharePoint is function called publishing. So one more time. Let's suppose we have some document and we want to. Some users have edit permissions on this document and the other users to have Onley rate operations. And we also want to do the users that have only rates permissions to re Onley finished versions off document and user sweet edit permissions should be able to any document without pushing their changes directly to users that have only read document. So we are now in our SharePoint in my documents library on do it suppose I hope, edit permissions. And in another groom, I have fuser that should have only read permissions. Yeah, so let's change these permissions for these whole document library, we can go into settings and here we have the permission settings and we can now see that this document library is inheriting permissions from its parent route site. And let's stop inheriting these permissions on and maybe delete all permissions except me. And let's grant permissions to our SP reader. Wait Onley rate permissions so we can share. And now if s period room goes to our documents library, he is not able to get some new documents and he's also not able to edit this particle recommend or any document that will be in this document library. But if I change something in this world, So for example, let's open it in awards and for example, let's it 123 and it's safe and close. We can see that from measure merge into it will be wears, um, free And we can now see that this document is inversion free with my change. But we can also see that our respirator is able to see also the first version off this document. And let's suppose I will be adding some changes that this account should not see. And what suppose that I will be editing this document, and I won't do this account to only see this finish version until I am satisfied with my changes. So let's go ahead one more time in our library sittings. And here in there's any settings. We have this option already in a boat that we are creating major versions. For example, 1234 But we want to create major and minor versions, also called drafts. So, for example, our read user will only see 1.2 point zero and so and I will be able to see 1.11 point two and so on and so on. With my minor changes, I will be working on this document and when I will be finished and satisfied with my changes, I will publish a major version, maybe 2.0, or three point Owen. So on and so on and right Under document version history, there is draft items security. This means we will be actually able to see drafts or minor version off these documents. So we want to user sweet great permissions on Lea Si published major versions and other users should see also minor versions too, so we must set of these. Do these options as these means that only losers spoke and edit items will be able to see drafts. Other users will be able to see only major versions off the documents, so we can eight Okay, and let's go back to our who commits library and let's edit the document one more time and we can add them, Want free and we can close and we can now see that this document is in version 3.1. This means this is our minor version and our SP reader should see Onley 3.0. And let's suppose I will be working on the document. Under my account. I will be creating another draft versions, and when I will be satisfied, I want to push my changes to the public. So other users who have only read permissions should be able to see them so we can heat on brick dots and here under more, we have now publish option. We can add some comments to it. So I am finished rich. My changes on twits publish, and we cannot see this document. It's now in major version 4.0, and let's check it under my reader account, and we can now see that I am able to see 4.0 version. 24. Simple & basic example: Okay, so we now know what our ship, at least libraries, permissions or pages Or maybe some publishing we can now. So some real life, basic example, Off SharePoint 2019 intranet. So here we are in our SharePoint route side. And here we can see we have our image here, Or maybe some meetings in inform off evens. And under these, we can find we confined our news and these news should to see all of our people from our company, for example. So they are on our roadside here we can see in our navigation home page, and we have also our separate page for our use. And maybe we have some do come in library called company documents where we can find all of our most route documents here for all of our employees. And we have our ages library where we can at some new pages or even updates our existing pages. And we have our site contents here, where we confined our libraries, least evens site pages or even subsides. So this was our route site. And let's suppose we have three separate departments scenes Our company called Finance I D and H R. So each of these department has its own subside, so we can see here we have our subsides for finance HR and department. We're also wings here in the top two hour free sites. So let's go ahead into our finance side and we can now see some basic charts. Would Finance Department could use? Maybe we have some invoice list here. Or maybe some Duke humans court reports. Or we can have some employees least here. And we also have here out pages library and our site content. Okay, so this was a little bit off finance department and let's look into our I T department and we can see we have some image here and we have also some news. But these news are only from I t department and they are not on our roadside. So we have our use again here. A menu. Where are all of our use? We can see we have some manuals. Library here. We have also hear out pages and site content and also recycled. So this waas pretty basic example. Off some I t site and let's go ahead once again into our HR site. Well, we can see we have some some information about you employees who are coming into our company. Or maybe we can have separate meetings on Lee for H R Team will again hear some documents, some pages, and we have also hear our favorite site contents. So this waas some basic illustration How well can build your own Internet in SharePoint 2019? But it is really up to how we will structure your Internet. Have your departments will be structured water document libraries and what lists or Bages you will be building inside of these sites. So I hope you enjoyed this little demo off sharp. 1 2019 and do we will see each other in next lecture. 25. Congratulations :): So this was SharePoint 2019. I hope you enjoy this course and you already know a little bit off SharePoint. But this was only basic course. And in SharePoint there are many, many capabilities beyond these basic course. So I want to encourage you to take another my classes or glasses off my colleagues.
