This course is intended for the new user of Salesforce. In this course, we will walk through the process of getting signed up for your own free Salesforce account. We will then tour the user interface, to become familiar with navigating the platform and performing common functions. We will round things out by personalizing our Salesforce instance.

This course is the first in a series of Salesforce New User Training courses that I have created to get you up to speed, using Salesforce in no time. 1. Introduction and Getting Started: Hello and thank you for joining me for the Complete Salesforce New User training course. My name is Mike Wheeler, and I'm a sales force trainer, developer and consultant and also the founder of Mike Wheeler Media. I have six cells for certifications. Those include Salesforce, developer, administrator, advanced administrator, sells, Cloud Consultants, Service Cloud Consultant and Platform at Builder. You can verify my certifications by going to the Certifications section on Mike Wheeler media dot com. Prior to discovering Salesforce, I worked for 15 years as a technical writer and trainer, So I have extensive experience organizing complex information and presenting it in a logical progression so that you can connect the dots and understand the Salesforce platform as a whole. I have created solutions on Salesforce platform across the cells, Cloud Service Cloud and Marketing Cloud. So who's this course for? First of all is for the brand new salesforce user. We start out by assuming that you have no prior experience or knowledge on the platform, and we go from there. This course is designed for anyone that works inside of marketing cells or service across any industry. We'll get you set up with your own free Salesforce account. This isn't a demo account, but one that you confuse and keep for life. We'll show you how to configure Salesforce to meet your own customized needs and will cover a lot of common use cases and scenarios across marketing, sales and service. Specifically, if you're a manager, a representative working in sales, marketing or service, this course will be very helpful to you. I show you how to use the Salesforce platform to customize it to fit your needs, and it will address your core areas of interest for your job function, so this course will help you connect the dots and help you to understand how what you doing . Salesforce impacts others in other departments and how we follow the cell cycle through from marketing to cells to service. The three key words as we go through this cycle are attract, attain and retain. Attracting is where we go through the marketing functionality of salesforce and then attain is where we handle the cells and cells, management and client services functionality. The retain is where we service those accounts and expand those into new opportunities. This course is also for vice presidents and executives. We go deep into reports and dashboards, and I show you how to finally gain visibility into key metrics for various departments in your organisation. All of this done on the Salesforce platform I'll walk you through how to set and monitor benchmarks and salesforce, as well as measuring our ally not only for your cells force expenditure but also measuring the return on investment for your various marketing campaigns. Another key feature of salesforce reporting and dashboards is being able to identify potential problems before they become readily apparent to your customers. This way, you could be proactive instead of reactive. So keep in mind that visibility equals accountability and salesforce will help you do that . And I'll show you how this puts you in the position of making actionable decisions based on data rather than impressions. This course is also helpful for business analysts, project managers or administrators or developers, all of which would benefit in understanding how in geezers use cells force in real world scenarios. So thank you for joining me. Now let's get started with signing up for your own cells force account 2. Signing Up for a Free Salesforce Account: Okay, so now it's time to sign up for your own cells force account. This will be a free account that you can keep for life. This is a fully functional enterprise level account of Salesforce and contains two user licences. Salesforce provides these friend users to be able to become familiar with and trained on the Salesforce platform. I do recommend that you go ahead and sign up for your own free account so that everything lines up correctly between what I'm demonstrating and what you should be able to see on your own screen. And that way you don't mess up your own production data in a real life salesforce platform . Also, be sure to check the resource is section of this lecture. I include a link to where you can go to sign up for this free account. So without further ado, let's get into signing up for that account. We need to get you signed up for a free developer environment for cells force. And to do that, you go to developer dot salesforce dot com slash sign up in your browser and fill out this form. And so on this form there's sections friend of your first name, last name, email address the role that you play and you could select you there. Developer, architect, Administrator. I T manager, business manager, etcetera. We're gonna leave that defaulted to developer. Don't get hung up with this Being a developer environment, this is a free salesforce environment that you can use for life and keep for life. There's no catch. The reason that sells force makes these available is because they actively are recruiting for and trying to get more developers on the platform and more administrators on the platform. And they understand that the wait for people to learn their platform is to give them a free license. And so this free developer environment comes with two user licenses and then some additional licenses as well. This is not intended for production use, but for educational purposes. So once you know how to use the platform, you can then get a job and utilize your skills on a full blown salesforce. Instance. So for now, this is an environment that you can then work through the different exercises in this course you feel in. Then the company name your country, your postal code, and then really The thing that I want to highlight is this user name field. Now this filled needs to be in the form of an email address. It can be a different email address that what is in this email? And so this first email filled is where Salesforce will email to for you to confirm your new salesforce environment that we're signing up for here now. It's fine to go ahead and put the same email address here. The only caveat is, if you already have a sales force account tied to your main primary email address, you need to specify something different for the user name, so you may want to upend like if you have a Gmail address, for instance. It's your name at gmail dot com. You may want to upend dot study or dot you to me or dot whatever. And so, for example, what I'm saying is, if you're old account was your name at gmail dot com, you can put a dot and then something else at the end of this. And so, for sake of an example, I've got your name at gmail dot com dot demo. Now that's not a valid email address and you can send email there, there. But how cells force will be communicating with years is through this email address here. And so then this will be your user name that you log in with. So bear in mind that you only need to add something additional on the end. If your current email address is already used on an existing Cells force account, I don't recommend that you go through this course using an existing Cells force account. But start with one that's new, and that way you can work through the exercises and not have any potential conflicts. And so if you don't have a sales force account already, they just simply enter in your email address. Check that you've read the agreement and click Sign me up. So then, once you have signed up, you should receive an email notification rule quickly from cells force, and you simply click through that and I will show that nexus faras when you first click through what that looks like. So once you submitted the form, you see this screen that appears that says that we're almost there. Please check your email to confirm your account so next you'll want to check the email address that you specified in that email filled on the previous form. Okay, so now I've checked my email and here is the email that appears the subject line will be your developer addition. Log in information, and this is coming from salesforce developers to the email address that you previously specified and feels in your name here, based on what you entered on the form says, Welcome to your developer addition. Your user name is below, and that would be the user name that you log in with, which may be different than the email that you specified that you receiving this email on? So you click on this link toe log in. So now what you click through on the link from your email, it takes you to the change your password screen. It shows that the password must have at least eight characters in length. Have one letter and one number, and so you enter in your password here, then you re type it to confirm the password. Then you answer a security question and click change your password. So now, once you've changed your password, your now logged into your new cells force account. And your first thing that you should see is a greeting showing. Welcome to improve. Set up. We're gonna go ahead and click. No, thanks. Here. So we just dismissed the tour of the interface because we'll be going through the interface thoroughly as we go through this entire course. 3. Signing in To Salesforce and Touring the User Interface - Getting Oriented: Okay, so now this lecture deals with logging into salesforce and touring the interface. So the previous lecture we showed how to click the link in the email and get logged into cells forces. So if you return later and go toe, log in that salesforce dot com and log in using your user name and password that you previously set up. You may encounter this screen here when you first log in. This is asking you to register your mobile phone. You can select your country code and enter your mobile phone number and click register, and salesforce will send you a five digit code that you could then enter to confirm that would register, then your phone number with your salesforce account, so that if you were to forget your password or get locked out of your account, you can use your phone to verify your identity to get going again in cells force. But if you don't want to do that, you could just say I don't want to register my phone by clicking here or if you want a restaurant later, you can just click remind me later which I'll do now. And so now we're in the cells force classic user interface. The first thing to note here and we're going to kind of go from the top down and left arrived for this user interface is that you noticed this butterfly here, and this is the logo for the spring 2016 release of cells. Force Salesforce has three major releases per year and their backwards compatible, and each year there's a winter, spring and summer release. And so, at the time of this recording, Salesforce is currently in the spring 2016 release. And so you have here at the very top a search bar where you can search for different records and type in search terms and then moving over to the right. You have this drop down here with your name that it appears you can click on this and you can see links for my profile, my settings, the developer console, and it's here where you would log out of Salesforce. The next link is the set up link, and that just brings up this set up menu here on the left, which you default to when you signed up for a developer account which I had you do and so you may not be familiar with the set up menu, and a lot of these different menu items are not usually visible to you as a user. And so we're gonna be going into the home tab here shortly. But I wanted to specify that this set up menu is accessible and there are certain things that you can access will be covering some of that. For the most part, we're gonna be dealing with the functionality from an end user perspective and the set of menus more for administrators and developers. The next link is the help link, and this is how you can access online help. It's a really helpful resource in that there's a lot of knowledge articles available, documentation, a success, community technical support, working long cases, some getting started. Tap back to the Salesforce interface and then the next link. Here is the force dot com app menu or application menu, and you can click on this and it brings down the different applications that are currently available in your cells force instance. And if you're following along in a pre existing cells force organization, or if you already have a user account for your current job. These will be different than what you see here. If you've signed up for the free Salesforce developer account and they should be very similar, and if you click on one of these, the tabs across the top will simply change. We switched from cells to call center, and you could switch to marketing etcetera, someone to return back to the cells application cause this is one of primary applications that you will be in and you notice is, well, that that set up menu on the left is now gone and we are on the hometown. It's I want to speak for a few moments on the various tabs that appear here across the top , and so we have our home tab, and when you're on a tab, the screen will change accordingly. And so on the home tab, you had this creating new menu where you can do quick create. We'll talk about that more later. Recent items that you viewed we've not been in our or because I just signed up for, so there's no records to display, and then it's here on this home to have that you will encounter your recycled man So if you inadvertently deleted something in yourself force organization, you can restore it by accessing the recycle bin, then these other tabs across the top by default. There's a lot of them. We won't go over all of them right now, but you will encounter most of these through the duration of this course. And so there's the chatter tab, it's or other tabs that will be dealing with her campaigns and leads. And these air really sequenced in such a way that makes logical sense. If you think about a typical cell cycle is, you start out with leads that you're trying to attract their attention and lease, or people that you're hoping to do business with companies that you're hoping to do business with and leads her individual people records. And they were for various companies. And then you reach out to those individuals by way of campaigns. And so this is the front end of the cell cycle in the marketing cycle, and this is the marketing piece of cells. Force in the front end of this course will deal with the marketing side of things, and then as we progress over to the right for some of these other tabs. We get accounts, contacts and opportunities this gets into once you've converted leads into contacts and you've identified and nurture different leads, and you've identified some opportunities to do business with certain accounts. And so you'll see that this has a logical progression in the Cells application in the way that thes tabs air laid out by starting with the home tab and chatter and then campaigns and leads. And then this next section accounts, contacts and opportunities and his well forecast. And then we start getting into. Once opportunities have been closed and deals have been struck, you started getting into contracts and orders then as well. Once you've attained some clients, you then need to service those clients. And that's where you get into working with cases and resolving issues that come up with your paying customers and providing solutions than other tabs along the end of here. Our products and will be dealing with products as well when we talk about the cell cycle and opportunities will be delving into products and price books and showing how those work and then the analytics side of things to round out this course and so reports and dashboards and how does work and how Data drives dashboards via reports. And so, from a user interface standpoint, though, there's additional tabs that are available that aren't readily apparent from this particular application menu. And you'll notice that these applications will bring up different tabs across the top here . But what you can do is you can click this plus sign, and this shows all tabs that are currently in yourselves force organization. It's You recognize some of these that we saw before, such as opportunities and products, but I mentioned price books. Price books was not available as a tab, but if you wanted access to Price books tab, you just click the plus side and then find it in the all tabs view and click on it here. And so that's whether you can access other tabs aren't visible to you in a current view is to view the all tabs list here, and this list will vary depending on your security settings and what you have access to. If you don't have access to a certain tab or potentially a tab hasn't been created, you won't see it here, so we see a lot of tabs here because, considering that this is a free salesforce developer account, the profile that we have is that of a system administrator. And so system administrators can access just about everything on Salesforce platform. But in your typical world of marketing cells or service or as an executive, you may have access to certain things. Or there may be other things that you're company don't use it all. And so they've just been removed or hidden so as to de clutter. The interface you started get oriented to the cells for Caesar interface. And so, before we get into too much specifics, we need to next visit the home screen. So the next lecture will dive into your home screen and then, from there, will start get into more specifics around the different tabs and the objects that they represent, and then as well, how to navigate back of fourth and perform specific actions that relate to your job, either marketing cells or service. It's a stay tuned next for the Salesforce home page 4. Using The Salesforce Home Page - Search, Create New, Recycle, Calendar & Tasks: Now we're gonna tour the Salesforce home page, and we touched on this briefly in the previous lecture. But on this home tab Reggie to your home page and we have a here on the side bar to create new menu. The recent items and recycle bin. They're on the right side. We have my own user name here, the date the chatter feed. And I could hide that by clicking hide feed that collapses that down to bring in the calendar in the my tasks section of the screen and items to approve. And since this is a brand new cells force ord, I don't have any items to approve any task scheduled. We'll get into some of that more here in just a moment. I'm gonna show the chatter feed again. I mentioned previously. That chatter is much like Twitter. You can, at mention people in create groups, join groups that sort of thing. Here's my chatter. Update is that I created the Public group All Mike Wheeler media. That's my company name, and that happens by default. When you first create your account is it creates a public group that is company wide for all, and then whatever your company name is, you can add comments by clicking comment. But first, we're gonna get here in the sidebar and get to work, creating some records by using the create new menu sometimes referred to as the quick create. And we have a few things that we can create here, such as events and tasks, accounts, contacts, cases, solutions or reports. And one thing I want to note is that you may not have access to this if you're using a pre existing salesforce organization or work account that you may have access to. This is a reason why I encourage you to go ahead and sign up for the free developer account so that you can follow along. And so let's now create an account. This will be our first record that we create as a user and salesforce in this salesforce instance, I'm gonna click on account, so now it takes me to the new account screen. And so the functionality of Salesforce when you're creating a record is much the same, depending on what sort of records you're creating, and then any required fields will have this red mark to the side of the field. and the default owner. This record is myself, and that's a default property. That happens because I'm creating the account and I'm going to create an account name for my own company, which is my quiver Media L L C. There's a lot of other fields that could be filled in this farce fun number, fax website, these air different field types that you'll run into these fields here called drop downs, and these allow free to select. Just one of many selections was going to select, other than industry will call it education. And so once you're done creating a record for your own company account, you can click Save I could click Saving New if I wanted to create another account, but it's going to create this one. Our intention is to tour the home page. And so now I'm on this account page for this account that I just created. So to return back to the home page, I click the home tab here at the top left, and now I'm back at my home screen. You see is well, that a recent item I have now my recent items list is Mike Wheeler Media L. L C. And so if I hover over that, this brings out a fly out hover menu for the account, and you can viewer at it from here if you wish. You also view the hierarchy, and this is another standard functionality of cells forces that a lot of times you can hover over records, and it'll bring up the ability to see more detail and even access an edit button. I want to delete this record in order to show you how the Recycle bin works and we'll click on view to view my account in return back to the account page that we were on previously. And now on this account page, we have a delete button, and I'm going to go ahead and click that to delete my account record. It asked me if I'm sure you wanna click OK to confirm the deletion of my account record. And so now I'm back on the accounts tab, I'm going to return to the home page. So now I have no items to display my recent items because I deleted my own account record. I could go into the Recycle bin to display what I've recently deleted and usually records stay for about 15 days in this recycle bin, but that can vary depending on the settings of your own organization. And if there's a lot of records being deleted, it may disappear before 15 days. And so it's always a good idea if you need to restore something to do so right away. So I'm going to return my quicker media account record back into myself. Force instance by checking the check box next to it you see as well. It shows deletion date in time and the type of record that it is, which is an account and who was deleted by I'm going to click Undo leet. So now the recycle bin refreshes to show that there's nothing in there. Cycle bend. This is my own personal recycle bin. There will also be an all recycle bin that is company wide. You may or may not have access to that. As a user, system administrators will have access to the all recycled bands, So if you're not finding a particular record that you're looking for, that may belong to someone else. You can check the all recycle bin and find records that belong to other people if you have proper access rights. So now you notice that since I've restored that record, my account file is now available under the recent items, and it is not been restored. So let's go back to the homepage from their cycle. Been view here. A few other things on the home page that we need to go over are the Villages Search, and I spoke to this search bar here to talk briefly in the previous lecture, But let's search now for my account records. I'm gonna type in the word mike you see here, as I type that results display and these air under my recent items, and that is the account record that I previously restored so you can search that way. You can also search by using wild car. So if I wanted to search for anything that started within lie, for instance, you can use wild cards and click search, and this gives you the search results window by clicking, search and use the wild card. It returns all matching records that start with the letters M I. And there's one account. Record it through other types of records that match they would appear here on the left, and he's noticed that always have zeros, and the counts has one. It also search chatter feeds for specific words. We're going to chatter more later and then also, especially when you're starting out in a new Salesforce instance, there will be these yellow windows that appear that can give you a tour of the interface. But one of dismissed that since we're giving a more in depth tour of the interface through this section of the course. So now that we've covered how to search in cells force, let's return back to the home screen. There's a few other items that we need to address. We showed chatter here in the feed that we can hide. I'm gonna go ahead and hide that now, because I want to talk about things that appear below the chatter, feed a beer calendar on the calendar and defaults to showing your schedule meetings. And this is a new cells force instance. So we have no schedule meetings and no request of meetings. And here's where you can enter a new event or new meeting request, and so you just simply click new event. This is much like entering a meeting request in black Soft Outlook or a similar email interface. And so to create a new event. I've got this assigned to myself. You know your subject. And then you can add invitees to this event by doing a search for either contacts or leads in the system. And there's a handful of fake contacts and leads in the system by default when you first sign up for your free Salesforce instance. And so I search for someone named Stella Pavlova, and this is a fictional account called United Oil and Gas Corp. And you should have this same person in your own salesforce. Instance. If you're using the free account, you can relate this event to an opportunity or an account or an asset or several other types of records. Family that blank to not related to record. You can specify location, and then you can set a start and end time. I'm gonna set this for May 16th and we're going to start at 10 a.m. An end at 11. If a war instead, an all day event, you check here, you can provide description. This would be the description of the meeting request or event If you wanted to create a recurring Siris of events, you could specify recurrence. And here's where you can select the frequency of daily, weekly, monthly or yearly in a starting in date. When and check that Because this is a one time request, you can set a reminder to pop up. And you can do that to be any 5 10 15 minutes all the way to two weeks in advance, prompting the user with a reminder. Just going to be the default 15 minutes and then click save. So now we return back to the home screen, and I now have a scheduled meeting. Now there's some details around the date, the time, the location and who is invited. And if I had any requested meetings, they would appear here. And what meaning request is is this is more of a traditional view calendar based view that you may be used to dealing with Microsoft Outlook, and you can add invitees include the two field here to search for users, leads and contacts going to search for myself because I'm user with Salesforce. Instance. I'm going to insert, selected by checking the box and clicking, insert selected and then let's pull up Stella's well. Previously, Search for Stella Pavlova. We're going to check her and say, Insert selected and click done and then weaken. Put a subject here. That's a conference call. We're just gonna leave. Where to be determined. Then you can propose a meeting time. Or you can let Salesforce proposed meeting times. If you let Salesforce Burr puzzle meeting time will check your calendar and propose up to five meaning times based on your availability and win. Invitees view the meeting request. They select one or more times that work for them and send your reply so you can select a timeframe within five business days. Tim Business days or whenever in a duration time. You could set the duration of the meeting, I must say, 30 minutes and within five business days, Then click next. Then you could typing your message and then when you're ready to send the meeting request click send. So now I have one requested meeting on my home page, and we're waiting for a response from Stella. So zero out of one of respondents we have our schedule meetings and we have our requested meetings and the request of meanings where the people that you're requesting a meeting with can select a time or once again, you can propose a meeting time if you wish it so just real quickly to propose a meeting time. I'm gonna propose that we meet at 10 a.m. on Tuesday, the 17th for one hour, and this is just another example of a meeting request that you can do in cells force Click . Next, type my message and added invitees insert Selected clicked on. Don't forget the subject and one year old Done click send for this most recent meeting requests where I just proposed the time myself. That is one where Stella can respond if she can make it or not. Where's the other one that I had created previously? Will get far the availability selected time that works best for her and let her kind of drive the time to meet in those times that are made available to her are those that are open on my own calendar. So let's go back to our calendar here, and you see that you can click on the calendar and see different daily views as well. And so the calendar solution on salesforce is very robust, and there's a lot of different views that you can have a Sfar. As you see for Monday, May 16th I've got this marked is busy for the meeting with Stella, so you can also view like a seven day view. And that would be a weekly view or 31 day view for a monthly view. And so, as you start using cells force and using the calendar to manage events meeting requests, this will fill up real quickly. You can also share your calendar, so if you wish to share your calendar, you can share with individual users personal or public groups. Or you could even share to users in a particular role. There's a lot of sharing particulars you can do as faras hiding and showing details of giving full access. And so you can explore that mawr. If you have the need to share your calendar fully returning back to the home page, we need to talk about tasks briefly as well in order to round out the cell force home page . So task your reminders of things that you need to do, and these air sometimes assigned to you by others or through automated processes and sells force. Or they're also things that you can create for yourself in its reminder, much like a task and Microsoft Outlook to remind you to do something. So I'm assigning this task to myself. But I could assign it to someone else, a different user in the system. And then you just in her subject said a do day and you could set a priority. Then the status you say in progress completed waiting on someone else or deferred. I'm gonna same progress. Interim comments For this task, you can create a recurring Siris of tasks if you want to set a daily reminders such as this example. Here is a reminder for me to close cases for the end of the day. I would do this daily every week day with a start date of today. In an end date, you can click calculate max. Indebtedness is the maximum and that you can do for recurring task. You can set reminders on the occurrence date or one or more days before and even one or two weeks before the task date, and I'm just going to set this for the Occurrence Day and to occur at 8 a.m. each day and click save. So now I have a recurring tasks set up to remind me to close all cases each weekday. And so this view here shows only overdue tasks that are assigned to me. And I don't have any tests that are currently overdue for to change this to today, I still have no open task because this happens to be Sunday's not a work day or a week day . Someone say tomorrow my tasks and now you'll see that there is one task and that's for tomorrow. Status is in progress. This means that it's a recurring task, and the exclamation mark means that it has a status of high. I wanted Mark this as complete. Let's say that I've already completed tomorrow's task in advance. I could check the X mark in order Market is complete, and now you notice that the status for this task has been updated to completed someone that clicks save. And so now when I return to my home page and the filter on the my taxes for tomorrow, it's now been removed because it's been completed finally on the home page or any items that you have to approve, and that has to do with approval process items you may not have any items to approve, and this may not appear on your home screen. It really depends on your job function. Some people have items to approve in those will appear here on the home page and that others will not. And so we've now rounded out. It's been a lot of time on the Salesforce home page, and now, before we get further into some of the other areas of the interface and core functionality that you'll be performing in marketing, sales and service, we now want to dive into the next section of this course, which deals with personalizing salesforce. 5. Salesforce Personalization Introduction: Okay, Now that you've become familiar with the Salesforce user interface and you've signed up for your own free account, we're now going to cover the key aspects of personalizing Salesforce to meet your own needs . In this section, we're going to cover a lot of typical Tash you'll do when you're first getting started in Salesforce. Once we're done with this, you'll be ready to get up and running with Salesforce into your job. So next I'm going to demonstrate how to set up the My profile page, and then the next lecture will cover the My Settings menu. And then we'll round out this section by covering how to modify your personal information. Are you ready? Let's go. 6. Setting Up Your My Profile Page in Salesforce: next, we're going to talk about setting up your my profile page in Cells Force. And so, to access to my profile page, you click on your name and select my profile so that the top ride, I click the down arrow and click my profile. So now I'm on my profile page when the first things that I want to do is upload my photo. And so to upload a photo of yourself, you can click on the add your photo link or hover over the image, and you see the link for ad photo. If you click that, it takes you to an upload profile photo screen where you can choose a file, navigate to it on your local hard drive ending click save to upload it. So let's do that now so that we get rid of this smiley face and get our own profile. Photo added. Okay, so now I've navigated to my profile picture. I'm going to select it and then click choose. So now we see the name of the file next to the choose file button here. If I want to show my photo on publicly accessible pages, I click here. This would be. If we have cells four sites enabled, or potentially a community set up, I'm gonna go ahead, make that publicly accessible and click save. So the photo uploads, and then you can then crop and reposition the image for your profile picture. So if you want to expand it out farther, you can click and drag the corners. And then once you have your photos sized in position the way that you would like, just click save. So now I have my profile picture saved inside of cells Force. Next, I can update my contact information by clicking the pencil icon here and you see my email address there. I can edit my profile, and so clicking the pencil icon brings me up to where I could enter in my address. City State, etcetera. So you've simply just feeling any updates that you wish to make and then click Save all, update your personal information. You can also look the about time and edit other information, such as If I wanted to change my first name to Michael, I could do that here, and then you can enter your title as well. You can also enter information about yourself and then when you're done, you just simply click save all. So now you see my updated information here underneath my photo. And then there's also the chatter feed that shows some of the updates that I've made. Next, we're going to be getting into the my Settings menu and how to modify your personal information further inside of cells force. 7. Using the My Settings Menu and Modifying Your Personal Information in Salesforce: Okay, so now we're going to go into the my settings menu and show you how to modify your personal information further. And we left off on this screen in the previous lecture. I wanted to show you how you get here if you're on the home page, Okay. So from the home screen, you can click on your name now taking back to the screen. We're just on, and this is like my chatter home page, and it has my chatter food here and this lecture. We're talking about the my settings menu, and there's a few different ways you can get to the my Settings menu. You can click on the Down Arrow next year, name here at the top for the user menu and click on my settings here, then also from this chatter homepage. For myself, I click this down Arrow. I can also access my settings. They'll take you to the same place, which is the my settings menu here for Salesforce. Now, one thing to point out here at the start is that there's this banner ad and basically this is Salesforce advertising the fact that they have the salesforce one mobile app and So we're going to get in the Salesforce one mobile app later in this course. But for now, we're gonna close out their message to get more screen real estate. And so now we want to dive into the my settings menu, and we're not gonna go real in depth in these, But I want to make you aware of where these ey're located, so that if you need to make changes, you will know how to get to my settings. And once again, the easiest way to get to this from anywhere inside of cells forces to click the down arrow next to your name and click on my settings. And so when you come to the my settings menu here on the right, you see some quick links, and some of those include changing your password, managing your chatter, email notifications, editing your personal information and customizing your tabs. And then, if you scroll down, you can see that there's desktop add ons. You could do such a sales force for outlook, and you can download that. But the first thing we're gonna do is we're going to explore these quick links, and so the first ones that change my password. If you click that link, you can go in and inter new password and confirm your security question and click save. And as you enter in the new password, it'll show you once you've reached requirements, which are that has to be at least eight characters long and contain one letter and one number. So I'm not gonna change my password right now. I'm gonna click the back here on my browser and returning back to the quick links. You could manage your chatter. Email notifications chatters like Twitter, but for Salesforce, and it's a social notification tool where you could follow records and people, and you can communicate regarding certain records. And it's a way for users to step to date on opportunities or Leeds or things that they're working. And it's a shared interface to where everyone can be kept up to date so that you don't have to be emailing back and forth. Make sure that everyone's copied in a thread. But you can have email notifications set up so that when there are chatter things that you need updated on, you can receive an email update to help you make sure that things don't fall through the cracks. And so click on email notifications to manager chatter. Email notifications. And here's where you can set setting so that chatter can email. Whenever someone follows, you are posted to your profiler groups and MAWR. You can also receive daily or weekly digest with posts and comments from your personal feed in groups. And so some of these cities here, the general one that's checked by default is that you will receive emails. You can hover over the information icon to Seymour information that he's selecting. This option prevents you from receiving chatter, email notifications and digest. And so the personal settings for email notification for chatter will specify when you should be emailed. And so right now all of these air checked by default. As far as any time anyone follows me, I'll receive an email the posts or likes occur, such as people posting on my profile or sharing a post that I made or liking a post or comment that I made on chatter. I'll get email notifications on those you see as you scroll down that there's a lot of notifications you can receive, such as comments and mentions and endorsements and messages. And as you can imagine, that could lead to a lot of emails, so you can set the frequency for personal digest. That's daily, weekly or never. It's a hovering over that. Your personal digest includes post from your feet and up to three comments proposed Daily Digest include the 50 latest posts, while weekly digests include a 50 latest post. So if you want to be updated daily on the chatter food, you could do that or weekly. If you don't want to receive a digest, just click. Never, and that is why you can set the default frequency for groups that you join. You can email on every post or a daily digest, a weekly digest or never. And then, the group said, is as far as you can receive an email every time a member post to this group. These are the different groups that I have, which have just one in my salesforce instance right now. Or you can select receive a daily digest or weekly digest or never, And so once you've set your chatter, email notification settings, just simply click save. So let's return back to the My Settings menu and the other quick links are at any your personal information and customizing. Your tabs will go into the personal information now. And here's where you can get into a lot of different information where you set your name, your alias, your email address, your nickname in the system. Your user name. That's what you used to log in, and then your work information you started in times for your day. Then over here on the left. There's other links under the personal menu, and we've already looked at changing your password. So some of these other links our language and time zone. And here's where you would set what times on your end, I'm went. Update this to central standard time, and you could also set your locale. So if you wanted a different interface for Salesforce, you could do that and your default language. And if you change this, this would localize your interface to the language of your choosing. And then the email encoding. I'm gonna leave those to default and click Save the next personal setting under my sentences. Grant account log in access and here's where as a user, you congrats your company's system administrator Salesforce, administrator access toe log in is you. It's set to no access by default. If you would like to give them permission to log in, as you can get them access for a day, three days a week, a month or a year. There may be times where you're experiencing the issue with Salesforce and you contact your sales force administrator and they ask if you could grant them access the law again as you so that they can see what you're seeing. Its way for them to test in, troubleshoot and try out what you're experiencing. And then I can log in as you and as well. If you ever logged case with Salesforce, is there some sort of issue? And you've longer case with Salesforce themselves. Then sometimes they will ask for log in access, and you can grant them access for a day or whatever these options are. And so once you've made those selections, you just simply click. Save someone in Grant, my system administrator. When your access to log in as me and click save continuing onwards through the personal information, set up a cell's force, you can manage your groups by clicking my groups and groups or sets of users. And you can use groups to share records with other users to set up default, sharing access via sharing rule and to specify that you want to synchronize contacts owned by other users. And so if you wanted to create a new group, you would do so by clicking new group. You create a label for that group unless just create a group called inside cells, and then you can add members to that group. And so the default is searching other groups, and so you can search by role or rolling subordinate or users. You're probably gonna use individual users. But if you wanted to use like everyone in a certain role, you could do everyone. That is in these particular roles, for instance, and I'm just selecting a few cells teams and clicking Save Another item under the Personal information section is related to your security token. You, as an end user of salesforce, won't have an occasion to use your security token very often. But if you're doing things such as using the data loader, then you will need to know what your security token is, and it's here that you would reset that security token Sometimes. If you're using the data loaded, for instance, you'll need to log in using that tool and the day loaders use for mass loading of contacts and leads and records. And you can do mass updates and so you know where to log in. You have to have your user name, but you also have to have your password and your security token. And it's just a additional security measure to restrict or allow access to salesforce from third party applications that use the cell's force. AP I So next, let's look at connections. This is where you can see any off connected APs or any third party account links that have been authorized to your account. And you see that I've had one connected app in the time and the application. With Salesforce helping training and the use count, you can revoke a connected at by clicking revoke, but here's where you can see what other accounts and systems have access to your account that you've granted. That's usually a very visible thing that you grant access to if you're logging in to some other service and you get a prompt asking if you want to allow access to Salesforce. Next, we can look at our log in history. Under personal settings, you can see times that I've logged into this instance, and you can see as well any invalidpassword attempts. Here's the time that I felt to log in correctly and then as well. Here you see a remote access log in where I access through the salesforce helping training . And here's the most recent log in history, and you can download a log in history for yourself for the last six months and export that to see SV filed by clicking this link. Other personal settings are approvals, settings, and this has to do with approval processes. And here's where you Condell a gate someone else as an approved for so that if you receive approval requests while you're out on vacation, for instance, someone else can improve them for you. And also where you said if you want to receive approval request via email, then we get into advanced user details. And as I mentioned before, we're just going at a very high level into these personal information settings, and this is gonna really, very depending on your role and so we're not going real in depth and all of this stuff. But here's where all of my user information is, and some of my settings, such as my licenses that have been assigned or the license types I can use, whereas I've been selected as being a marketing user. But I'm not a user salesforce knowledge, for instance, and I also can use the service cloud with this check mark here. And so you will want to go in here and click, edit and make any necessary changes. And some of those that you may want to do is you may want to set up salesforce knowledge for yourself in this free salesforce. Instance. If you have available user licences available, you'll want to select that yourselves. Force One user and I'm going to de select making set up my default landing page, the set up pages used for developers and administrators. It's very often that they'll have this set up menu as their default home page. But since we are users of salesforce mint on admin zor developers, we don't want to see the set up menus. So if you d select that, then you'll go to the home page of Salesforce instead of the set up screen. And then, if you scroll down, you can set your start and end time your email encoding your 1,000,000 address. Here's the locale settings that I said to Central Time Zone earlier. You can set your delegate approvals so a lot of these settings are in the previous screens . This is all combined into one. And here's where you can receive the Salesforce newsletter in the Salesforce Administrator newsletter. I receive these, some gonna de selecting click save and then finally, under the personal settings, we have authentications settings for external systems, and we don't have any set up right now, and you don't need to worry about that. As a user cells force, you're not going to be touching that. That's more for developers and administrators. And so next we're going to look at customizing your display and layout settings, and that will continue on down here in this next section. So stay tuned 8. Customizing Your Display and Layout Settings: Okay, now we're going to customize your display and layout settings that sells force returned back to the home screen to remind you how to get to the my setting section of salesforce. If you click on the down arrow next to your name and click on my settings, you'll go to the my setting screen. And we've previously looked at the personal information how to customise that? So now we're going to be customized in the display and layout settings for Salesforce. If I click the plus sign to the right here to simply click anywhere in this menu item, it will expand to show the different options available to me to customize my display and layout settings. So the first ones to customize my tabs. So to remind you the tabs here are these tabs here, across the top of the screen, we have home and chatter, tab accounts, contacts, cases, solutions and mawr. And so we have also the custom maps that are available from this drop down. If you notice call center here corresponds with this call centers election, and this is the force dot com app menu here in the top ride. And so, if I were to click on this. That shows the different APs, or applications that are available to me as a sales force user have cells marketing apple launcher, community side dot com salesforce chatter and content in addition to the call center application that I'm currently in and as a reminder, an application and sells forces simply a Siris of tabs that appear across the top of the screen and a tab can appear inside of multiple applications. And so, for instance, the account tab may appear in the cells application, and it may also appear in the marketing application and then, as well. Some of these other links down below are the APP exchange, the developer community and the success community. And so if I wanted to adjust the tabs that appear in the call centre application, I can remove tabs that currently appear so. For instance, if I wanted to remove the dashboards tab, I would click toe highlighted here under the selected tab section, move it back to the available tabs selection. You can also scroll through this list and select other tabs that you want to display. Then just simply click. Save it. So now you'll notice that the dashboards tab is missing from my Rove tabs in the call centre application. So to return that back, I would click on the display and layout link, include customized my tabs again, and I'm going to return the dashboard tab to the call center application and click save. So now we have dashboards returned as a tab in the call centre application. If I click on display in loud again and customize my tabs if I want to adjust the tabs in a different application, I just simply select the desired application from the drop down. I'm gonna select cells and then the available in the selected tabs of day, depending on which ones are set for the cells application. And so let's say that I want to add an additional tab to the cells application. Most like documents, and I'm gonna move that over that if I wanted to move it up or down in the sequence, this would be where they appear left to right at the top. And so I'm gonna move documents up a few just after solutions in between solutions and products and click save. So now if I go to my cells application. You see documents does appear between solutions and products. And so you notice here that the sales application has more tabs available to it than the previous application that I was in. And so then there's also this down arrow, and this is when there's more tabs that are selected for an application than can be displayed in your display settings. So I click on that. It shows that this dashboards tab is also available from the cells application. Let's return back to my settings and in the display and layout. Customization options, in addition to customizing, are tabs, which we did previously. You can also customize my pages on the customized my Pages screen. This is where you would go to customize your home screen if you were to click Customize Page. Right now, however, you'll see in a lot that you need to have at least one dashboard enabled before you can customize your home page. Since we're in a brand new cells force instance, you won't be able to customize your home page quite yet, and so we'll be able to get into this later in this course. But for now, I wanted to make you aware of where you can go in to customize not only your home page but also other pages related to other object records inside of cells Force. It is here where you could customise the layout of the accounts, object records or contacts or cases, for instance, and this gets into customizing related lists and related records to the object that you're customizing the page for. And you see here that for the case object as a quick example, we've got these different related list, and you can remove or add related list back and forth and clicking, save in order to do so. But for right now, we're just getting familiar with the my setting section, and it's specifically under display and layout and then is here as well that you can make set up your default landing page. The set up would be this screen here that's also accessible from the set up link at the top ride. I'm gonna leave this check box on selected because set up is more of a gnat administrator and developer setting, and as a self force user, you don't need to be getting into the set up men, you and so we're gonna leave that unchecked. And so since we've not made any changes to customize in our pages, we'll just not save or cancel. But we'll go into the next selection here under displaying layout under my settings, which would be my social accounts and contacts. For your social accounts and contacts, you can see social profiles for your accounts, contacts, leads and person accounts directly and salesforce. So this first check box, which is checked, is signify that you're going to use social accounts and contacts, and then the very social networks that are available in Salesforce, our Twitter, Facebook cloud and YouTube. If you wish to not see certain social networks, you can simply de select the check mark next to Social Network that you don't wish to see. And so, for instance, we have Twitter, Facebook and YouTube now selected, and some now, if various contacts or even account records have a Twitter profile or Facebook account or a YouTube channel, we can associate those with those records and see that information in the display or detail page. For that account or contact, you can get more information by hovering over the information icon to the right of each. So, for instance, by enabling using social accounts and contacts you want to select if you want to use the social accounts and contacts, feature and you can de select to turn this feature off for yourself. Pretty self explanatory in the same sort of information related to the other social networks. So you can set these as you wish and simply click save. So now let's return back to the display and layout section again, and let's visit the final section, which would be accessibility. So it's here that you may want to use certain screen readers, and that's make Salesforce more accessible for those that may have difficulty seeing, for instance, and then the color blind palette on charts. This option sets an alternate color palette for charts that has been optimized for use by color blind users and then just also keeping in mind that for dashboard emails that are sent, the ultimate palate is not used. And so this is only four dashboards that air in the user interface, and they use a color blind pilot that makes the colors more easily distinguishable. I want to cancel out that we're just going to leave the accessibility settings unchecked. So that concludes the display and layout section of my settings. And there's other settings here under my settings such as email settings, chatter, calendar and reminders. Desktop add ons and import will be getting into some of those functions later in this course, but we're now going to draw this section to a conclusion as faras personalizing salesforce . We've personalized the cells. Force interface enough now that we can start to dive into the next section of this course, which deals with marketing, management, automation and optimization and sells force. This is the section where we begin to attract customers, which are known as leads. And then we will go from there following through the entire cells and service cycle and sells force. So stay tuned for the next lecture, which is introduction to marketing, management, automation and optimization in Salesforce
