1. Intro: Productivity Masterclass Step 6: Review and Optimize: Hello and welcome to my productivity masterclass. It's a program in seven steps, and my name is Mikey Hoon Bata, and I'm very productive. I would say I'm very active and them very creative at a lot of online courses and other online product. I do a lot of business coaching, and I'm also an only mother to my two Children. So often people just ask me, How do you manage? How can you do all these? And sometimes they're asking me if I have some time management secret they don't know off. So it's an answer to this question. I started to record some courses on productivity. The 1st 1 is from vision to reality, where it shows you how to set in the chief goals than 1/2 a time management course. And now we're in the productivity course, and this is a seven step program, and you can find all these courses on this platform. So what will you learn here about this Productivity? Productivity is all the things that keep you busy all day, and it doesn't matter if you're employed or if you're self employed or if you're a student or maybe just mother to some Children, all of us have so many things to do and we just seem not to have to keep on track with them . And I help you and the other show your seven steps how to make life easier. So what is the step Number six all about? Step number six is about reviewing and optimizing. So you want to establish a system and of course, you want to keep it nice and clean. And one important thing is I always recommended you're planning your life for hat. But on the other hand, you, of course, have to find out if you're still on track. If you're still doing what your plants you would be doing, so it's very important that you always also have a look back. What did I accomplish? How did I accomplish it? Did I accomplish it in time? And the more and the second thing is that you always can optimize, so you should really go for optimizing all your things daily. You will always find an easier way to do things, and this will, in the great scheme of things, really help you to get own faster and so to have more time to really take care of the most important things in your life. So looking forward to see you in the class enjoy. 2. Review: okay. And step number six off our seven steps to more productivity is review and optimize. So this means any system is only when you planning something. It can only work if you're reviewing. If your plan really it turns out the way you want it to be. So be ready. We're talking about planning, like planning your life from a life basis, or you could do it the other way round starting at the day. So I recommended doing it more that way, looking at it more that way. And now you have to be clear. Are you still on trick? So first planning your life and then you are asking yourself, Is it am I living the life I want to live? And you should ask this in the frequent way. So especially when you have some days off, you should really always think about your life. And if it's fulfilled, if you are together with a person's, you want to be together. If you're doing on an everyday basis, the things that you want to do, if you're in the right collapse and everything, I just think about it. It's your life, the way you want it to be, because this is what happens to many people that never really think off. The life's in the big picture, and so the life is sort off, just lift by them. But they don't feel like they're on the steering view. The same with 10 years. Plans a decade. Ask yourself regularly. What do we want to do now? What where I want to do. I want to be in the next 10 years, and the year is is very crucial. So plenty of years ahead. Take it least some days off, beginning off a year or a T end off the old year and really planned carefully. What do I want to reach? Where do I want to be at the end of the year? But but revenues do you want to achieve? But what things do I want to have accomplished with protects? Do I want to do all that planet a hat and then take it? Least every quarter takes what least want the office? Sorry, I'm writing with my mouth. It doesn't look too nice. Just quarterly. Here, at least quarterly takes some time at least one day for review and look at the last water very carefully. Did I chief what I want to achieve? Did I finish the project? I wanted to finish that. I earned that much money. Did I do all the things I wanted to do? Did, um did the relax enough? Did that care for my health? Everything just at least the on a quarterly basis. Always review if you achieved what you wanted to achieve, and then look at the next quarter and plan accordingly. And I think one of the most important time periods for planning and reviewing. It's the week, of course, also the day. But the week is very important getting ahead in your life. So I want to take a closer look at that. So if you're asking yourself, are you on trick Planning goes first Planning was our chapter two. So you should have planned how to spend your week before that. And I suggest that you should always take you peek rocks first. So, for example, we have a project A, and you decided that you want to spend 8 to 12 hours on Project A. So your plans ahead before the week started, when you dedicated the time to win work for Project A and that's a This is a client's project. I'm not counting. I think it's more than 12 but it's OK. It's just just to make it clear. And then maybe you have your own project, which is Project B and a recommended that you should at least use as much time for your own project as you do for your clients projects. And let's say this is the time you planned for project be. And then you were planning about one hour for miscellaneous stuff, everything things that you have on your general to do list. So you're planning to have one hour a day? I'm not writing it all the time, just like this. So and then this is This is already the so the A and B would be the big rocks. And then, um, the miscellaneous would already be the gravel. And then you have more credible like, for example, appointments. You're meeting someone having a Skype cold ghost number two offices or whatever, and then so this is the the gravel, and then you, of course, have sand filling her up your whole life so that you always feel busy. So this was the plan you have. And now it's time for review at the end of the week. Sunday's a good day, but you can also do it on Monday or any other day. You should take half an hour to an hour for reviewing. So you look back. How was your week? This is another narrow. How was your week? Did I really do all accomplish all the things I had on my tool to do list for the projects ? Did I actually spend that much time for the projectors I wanted to? Did I get ahead? Did I earn the revenue of want to turn? Did a dual the other things I wanted to do. So you just have a look at it closely. How did this week turnout? Wasit as are planned? It was completely different. What was different. And if you didn't achieve things, why didn't you achieve them? Was it that you were planning Not enough time for them or what? Wasit. What circumstances didn't make you finish them? And if you achieved it? Why? I was a good what? What? You're not right? Don't forget to celebrate all successes and then you go ahead and plan the next week and this is what you should do every week. And you should also do a very short on every day. So at the evening or in the morning as you prefer, but evenings a multi better. You take 5 to 10 minutes and you do the same. We just have a review. Look at the past day, Did I accomplish everything? And what does that mean for today? Do a have like I haven't finished approaches A So I have to okay there sometime dedicated to project A anyhow. And this way, you really you get get more more feeling about how good you are in predicting how far you get what you can achieve in a week. And this really helps you planning your future and getting ahead. So you really shouldn't meet three young reviewing. And when you get better all the time, why not take more leisure time out of it? 3. Optimize: okay. And in order to get ahead and to get better every day, you should always take any chance. Toe optimize. So you have your system. You hopefully found your system with my help. And you now have you trusted system that you use on a daily basis, because otherwise, if you don't use it regularly, you can trust it. And now it's just getting better and better all the time. And one, I want to tell you three major points on how to optimize what I recommend. Optimizing and the first is to bundle what this bundle mean. Bundling means that you that similar tasks should be done at the same time. Maybe also, you know, persons who don't seem to have anything to do. And when they have only one thing to do and have one thing on their agenda, it seems that it takes in the whole day even just like shopping or going to the hairdressers or things like that, and it's already it. There's a saying. If you have something to do, give it to a busy person and this is because then it will be done, and this is because busy persons just know How toe do things have to accomplish things? And so this is one reason for bundling. So if there's, it takes less energy. If you're already in the act of doing to doom, or especially if it's similar. I'm dressed and things like that, and now I just find another half an hour time to do my groceries and, um, I work in my home office, So I was a bundled two days where I am at home. So my home, the home office days, other days where I really get going In my big projects, I only work with my big projects for a whole day and on the opposite. When? When I already have appointments when I, for example, have a meeting with one of my clients. I mean, when I'm asked for more appointments, Father persons, I usually put them on the same day before or after disappointment so that I have my days out. I have my home office days and in contrary, have my days out where I do all the stuff I have to do out of the house, and this is also bundling, and this really helps to optimize your time. A second thing already talked about is delegating, and it's great if you have Children who can help you with some of your home berg, and you hopefully have a partner or spouse that helps you with everything that has to be done in the house, and maybe you even have employees who help you with your business. But today delegating means much more. There are so many platforms and so many services that do everything for you in your office and also for your house and your garden. You can you can hire people for for doing your your graphic stuff for setting up your Web page. But you can also hire people toe cupped, cut your bushes or wash your car or anything so you can find people for everything. And you should always ask yourself, Am I the first person to do this? So I like to do this. So, for example, if gardening is is all your pleasure all your joy off course, you will do it. But if it's just something that has to be done so that your garden looks nice and you do not really like to do it, why not hire somebody? Often, people forget their own celery. When you're self employed. Some people never think of their time being worth anything. But just think What? What do you charge your clients for one hour and calculate at least this this one hour? That's this is what you cost in one hour. So if it takes you, for example, three hours to cut your bushes and you don't like to do it. Just calculate your usual fee Time three. And look, if you don't find the gardening service that does it for you, so always think, Do I really want to do that? Or is there somebody else who can do it cheaper or maybe even more professionally and my favorite one? The last one is discarding and eliminating here and dumping everything that you don't need any more. So really go through all your files regularly and put everything away that you do not need any more. Often, people have some nostalgic feelings, or they have the afraid that it will need stuff later on. But I just tell you, your subconscious really loves getting rid of things. So just go through your files on the regular basis and through your old, your shelves and everything for your whole house and everything that's that hasn't been used for quite about just bringing the way. It they're all stuff, holds, holds your subconscious in some way. It holds hours off thinking about it and wanting to repair it, but never doing it. And like, and just that you think Okay, this tomb or I have to do. There are all these things I want to do one day and this. Yeah, it's just not good for your for your soul. Just get rid of it. This is about stuff. And then I want to talk about eliminating projects or not even starting them. And this is very important. This is the great advantage of being self employed that you are your own boss. If you're if you are an employee somewhere, then of course you have to do. But your boss tells you maybe you can. You can discuss a little bit, but if you will do it on the honor, Um great. The basis. Won't nobody process that you won't be here that long. So you have like to obey, but But when you are your own boss, when you're self employed, you can reinvent yourself every day and you can decide on what you want to do on a long run . And, of course, you can't just keep all your project and and get rid of them for Monday to the other. But this is vied so important toe half your perspective, also on your year spaces and 10 years basis and even life basis. And you can always ask yourself, What do I really want to do? What? But everything's our love to do. What do I really want to do? And this helped me having less and less projects so that that doesn't mean that I'm not doing anything anymore. But first, like clients projects on when I started being self employed, every everybody who wanted me to do something was important to me because I wanted to earn enough money. And But then after a while, you see that some things are easier than others. And, of course, some things you like to do in some things you don't like to do. And nowadays I only take projects for clients that really seem interesting to me and that I really want to do, because otherwise I know I get bored and I don't want it. And also when when it seems that it will be difficult to deal with this client, I just say No, thank you. You know there's this guy or that that woman just go there and ask them if they do it for you. I don't have capacities in the moment, so really be picky about what clients projected toe and the same about your own projects. Might. My head is full of projects I think I have. I have enough projects for three lifetimes. But as already showed you with the model from rich Shefrin, you shouldn't be on too many projects at the same time because it's just a lot to do. And it's harder to accomplish each of the project and, uh, and it also doesn't earn your money that quickly. So just do one project after the other. And so I don't have many projects on my agenda. At the same time, I do one after the other, and this really slims down. My to do's a lot, and this helps me to feel much better about what I have to do. And when you accomplish your projects quicker, you can quicker start in a new one, but you never feel feel so stressed. You never feel so much in the hamster's wheel, so really be very peaky and very careful on what Pro checks you're starting. You can always have your at least for future projects, and you can plan ahead that you want to do other things. But don't do them all at the same time and be careful what what to start it all 4.
