1. Life Planning and Getting Things Done with Notion: Do you want to be more productive, more organized and get more focused on your goals? This is what this course is all about. Hi, I'm yell and welcome to life planning and getting things done with notion. If you have not heard of notion, it's a productivity applications you can use for your personal life and work, you can use it for managing tasks. Help you organize your study projects, notes, hobbies and life goals. It's an application that I and thousands of others believe can help change your life. It's vastly more flexible, more feature rich on more satisfying to use than any other productivity tools I've come across. This course will take you through how you can use notion to help you in your personal life as a life planner on tool to get things done. I'm Yeah, I'm a solutions consultant in London, and I have over eight years experience in helping individuals and organizations achieve their goals and improve their work processes through technology. I'll be your instructor on this course. Over the years, I've tried many different productivity applications to manage both work projects on my personal life. APS such as Evernote Trail Oh, to do. It's asana. Google sheets Notion can replace all these APS. It's only when I discovered notion that I feel truly satisfied that it is a right tour for me as an all in one digital life planner. This course is for both those new to notion on those who use it already. What is Notion: notion describes itself as an all in one workspace on the Web, an application where you can write, plan, collaborate and get organized. You can check out by going to the website. Notion. DOT s on notion is a very feature, rich and customizable productivity application. It can help you organize many areas of your life, including task management, project management, storing notes, meal planning, travel planning, saving details of books and Web pages. I want to read Keeping track of your personal development All of this in one application. You can use it to create your ultimate life management system. This is all done through creating pages and content blocks, content blocks within pages or what let you create and shape a page to your needs in a page . These are application I've used in the past, but I use notion because what I believe it does very well is how you can personalize the application. There's a lot of flexibility. How you can design your page is how you structure your content on a different views you can use to create and see your information. Secondly, it lets you capture, search and organize information all in one place. This means you can replace a number of different tools you are currently using with one tour that will better serve your needs. - This all makes notion, in my experience, very satisfying to use. And there I say, enjoyable, and I think that's important. I recommend at least you should find out more about notion you can sign up for free, and I believe it could be a real game changer in how you can organize your life. Having more organization and planning in your life can help you focus on working on what's important to you, and that's a key aspect of achieving your goals, wherever they may be. 3. Notion Pricing Free for Personal Use: So how much does notion cost? Well, there's a free version and paid versions. The costs I'm going to summarize may, of course, be subject to change. Signing up to the free personal version should be enough to get started and for many people , all you will ever need. You get unlimited pages and blocks, and you can add up to five guests to collaborate on any pages in your workspace. You will need to upgrade to the personal pro version if what you want is to upload larger files have unlimited guests on also want the version history functionality. This lets you see any changes made to pages. There are also pricing plans for teams and business. These are relevant if you're using notion for team collaboration and include more permissions and security features. 4. Setting up your Notion Account: to use notion. First step is to sign up for an account you can sign up through the website www dot notion dot eso. The personal plan is free to sign up to on the notion home page. You can see that there is a sign up link here. You can sign up with your Google account. Otherwise, you can enter an email address. You'll be sent information by email on how to lock in in the email. You'll be given a temporary logging code and a verification link for you to continue your log in. After signing up, you can go to the notion home page on there will be a log in link on the top right in which you can enter your details to log in. Once you have logged in, you might want to set a password on the top left. There is a side bar where you find a settings and members link. If you click on this on goats in my account, this gives you an option to set a permanent password so that you don't have to use temporary log in codes. It's worth being mindful of information security when you're in notion depending on your browser settings. Notion should keep me logged in if you don't log out. If you're using a public computer was sharing your computer with other users. You should remember to log out when you finished. Log out, Click on your workspace name and here in the bottom and here at the bottom of the pop up, you will see the link to log out. There is also a desktop application you can download for Windows and Mac. The download link you can find on the home page of Notion. The desktop version is not much different in terms of what you see to signing in on the Web browser. However, notion on Web browser, such as With Crow, will only work if you have an Internet connection on the desktop application. One advantage is that you have some offline functionality, but it is limited. You won't be able to view every page that you have one notion on the images and files, but you will be able to see recent pages of Accessed and you will be able to create new pages. All continue working on your current page. Pages will then be saved when you are reconnected to the Internet. An advantage of using the Web browser version is at his is easier to access a link to specific pages. Each notion page has a unique website link, and I have used these links to create shortcuts to notion pages in my Google chrome. Using the browser version also lets you open multiple notion Web tabs easily. You can also use notion on your mobile or tablet. They are maps for IOS and android that you can download. Your devices would then be sync to the cloud in real time. Whenever you update something on one device and you are online, you will see the live updates on other devices. 5. Navigating around Notion: this video will go through what you see when you log into notion when you first log into notion and this is similar to what you should see. You have a main area where you can edit the page euro and you have a sidebar on the left which has links to your favorites workspaces, search and settings. We can hide or resize your tuba. Starting from the top left, you have work spaces. If you click here, this will display all your workspaces and give you an option of creating a new one. Workspaces are relevant if you are working in teams. For example, I am a guest member of a workspace called Notion Pros. You can have different permissions within a workspace. So here in this workspace, I'm actually not allowed to edit anything on the page. I can only view and you'll see if I change the workspace. I have different items showing up now in my sidebar on different content. You can create new workspaces for free, but you would find you have to upgrade the pricing plan for each workspace. If you find you need more block storage, simply select us. Create a work space tab. And then you can enter the team's basic info, such as a name, the Team Yaro, which is the website address and any allowed email. That means quick find, Let's see, search all pages within notion. For example, I know I have a page on Sweden as I went on the trip there recently, and when I do this, such get to results, it seems. Got a task for preparing for Sweden. But I've got Sweden Page as well. If I click on that, I can see my page, and I can use the back button on my browser to go back to my previous page. All updates. Everything in notion is stored in pages. I'm going to show you some example pages where you can see the rial variety of layout and content options you can have. This is my home page. I have it like this so that when I'm in notion, I can quickly get to a page that I want. This is one of my task pages. It's a database of you. Here are pages are created to help me create this course, the page can have content. The page can have a title, a Nikon, and to cover anything you type is automatically saved. If you are online, you can add discussion two pages, which is useful if you are using notion for teamwork. You've got page settings on the right, such as being able to share the page viewing updates. If I hover over them, you can see a plus button. Clicking on the plus button will add a page within that page. When you click on new page, you're presented with a number of options. We can give it to title, and we can start typing. We can choose to create an empty page or an empty paint of a Nikon. We can start from a template we could import from other services, such as Evernote or we can create a database. And there are different views you can start off with. With templates, you can use a page that has already got content created by notion to give you a head start . It's worth looking at these to give you ideas, or if you want to start from a blank canvas, you can just start typing a title and text we can click on Open is Paige to give us a bit more space. If I hover over the top, you can see I can add an icon. Recover. When we click on Add Icon, you'll see there's a number off cute options. So as my page is going to be about computer games, I can type in game in the search and relevant images come up with your icon. You can upload enemy she already having a computer or an image from the Web. There are websites such as flatted condotti com, where you can download more icons for free. We can also add a cover picture on your page like the icons. We can change it, upload your own or link to an image from the Web. You also have the option of using an image from unspool ash dot com. This is a website for free images. It's got an integration with notion, so you can search across the vast database of images that are underside icons and cover pictures really helped to make notion your own personal creation. Now we can start putting in more content. In the next video, we're going to explore options for adding content, and we will explore blocks and notion. Blocks are how you can add different types of content to your page. You can make notion pages, public said, that anyone convicted them, even if they don't have a notion account. Slash For example, Bullet. I start typing and b u l l e T, and it will start narrowing down the options for you. There are also keyboard shortcuts. For example, typing hash hash cash creates a divider. Hush space is a quick way of creating a bullet block. You should find a link to keyboard shortcuts under getting started page. Another way to add a block is if you hover over a line, you see there's a plus button. This adds a new block and you choose to type. You can add comments of a block to which is quite useful if you have shared pages of teams . I'm now going to show you how you can move blocks around so you can select a block by hovering over it and then to the left of the block, you can see net. A hand will appear, and that's when you can drag and drop the block to somewhere else on the page. You can drag multiple blocks weaken. Simply highlight more than one block and then dragging drop as before. You can also nest blocks of in each other. If you drag a block to the right rather than straight underneath a block, you can create columns using dragon drop. So if I wanted, Thio added column to the right, I would take this Andi, drag it to the right of the screen. And there we have a new column. It's very flexible. The block system lets you create and shape your page to your liking. 8. Travel Plan Example Page: in this video, we're going to go through an example Page. I'm going to show you a travel plan. Example. This is for a real trip I'm going to be taking to Japan later this year. The reason I've chosen this as an example is that I'll be able to present the many things you can do with blocks. In notion, we look how we conform at texts and bed maps at a table and create Web bookmarks. This is my notion home page, where I've added a few links key pages in my life management system. I have a likeness so I can quickly access pages I frequently go to in notion he see I've got projects, tasks, another things to do with my life management, a section for work and a section for notes and lists. When I click on travel, you can see a number of locations to do I've been before and a new one that I'm planning to just hand you see on this page of God cover image, andan icon. So if I click in this area, I can choose a Nikon I just typed in Japan, and it gives you a few different options with a cover, he can look for images on unspool ash. So here I could put what days I'm traveling on on what I'm going to do in the morning evening. This is a number column, which adds up, which could be used, for example, if I needed to budget for this trip. I can add maps either in bed P D efs, um, or at Google maps. You can see here I'm able actually to split the page into columns, and I can simply drag and drop columns, as I want here. I've got expenses table because I'm going over traveling partner, and we might end up paying for different things at the bottom of the page. I have a section for ideas. So these are pages within the Japan page, and I could go back to the Japan page by looking at the navigation at the top the breadcrumbs If I see an idea I like on the Web, I used the notion Web Clipper to save the page in notion. So let's say I like this page and I've installed notion Web Clipper in crime. I can click here, decide which page I would like to save this what page? Click save. And now when I go back to notion, you can see it's created a new page, and it saved a content in that page. How cool is that? There will be an upcoming video where I go through the notion Web Clipper in more detail. I hope that's acted as a good overview off. What you can do with blocks on a page, in notion you're only limit is your imagination. You can have actually a lot of fun creating pages I did, especially for my travel trip 9. Introducing the Notion web clipper: this video is about the notion Web Clipper. One feature available is to savor webpage to notion from your Web browser on your computer or phone. This doesn't just saved a link it saves or the contents off the Web page, including any images and video. You might find this useful because it lets see capture and organized Web pages within your personal management told really easily. It gives you a place to save Web articles or videos for later linked to a job you might want to apply to at a later stage. Save a recipe you might want to try. You'll be able to search for the content in notion on with the offline functionality. It means you can read Web articles when you're not connected on chrome. To get the notion Web Clipper, you can go to the chrome Web store, and when you install it, you should get on the top right of the browser, the option the saver page and choose exactly where to save it. You can save it as an item off a database or on the page off choosing. So, for example, let's say I come across this page and I'm interested in this book. So I want to remember Teoh by it. So what I can do is I can go to the notion website for here and then you can choose wherein notion to save this page to its already come up with the title that we can change on Dhere Weaken! Search of in motion. Where to put this page? I am actually going to put it in my book section and when I go to my books, you'll see here I have a database where I have grouped books by status, purchased reading and complete it on new books don't have a tag such as the ones I have saved from the Web clipper and if I go to the bottom, you will see that the book that we've just got to we've managers saver as a page and saved the website address on it saved a nice image on text from the website as well. You can also save two notion from your mobile on IOS or Android to so if you have the app in store. If you are on a Web page or a photo, you should have the save icon, which I've circled on when you tap that, it should let you save the photo or Web page in a number of different other services. And when you select notion again just like the Web app, it lets you choose the page that you want to save it to. Andi also renamed the title as well. 10. Sharing and Collaboration in Notion: this video is going to summarize the sharing and collaboration features and notion you may find these features useful if you're working in a team or want to shared space online with your partner, mental or friends. Pages and notion could be private, so only you can see the pages you create. However, you can have pages that our public so that anyone convicted them even if they don't have a notion account. Here is an example of a page I have made public on the top right. You will find the shelling here. You can make the page private of public, have it so that anyone can read it if they have the Web link or even be allowed to comment on the page if they have a notion account. Once you make a page public, you can send the link into your just bar toe other people or use the copy page link. You consent the page so that it is not found by search engines. If you want to make sure that only those that you share the page will be able to find it. If you want someone else to be able to edit your page so do more than just viewing your page. You need to invite them as a guest to the page. They would then have to sign up for a notion account, but it can be the free version. Here is a page I want to invite a friend as a guest so that they can edit the page I go to share, and then I click on Invite a person here. I can enter their email, address the invite button, and then they'll get a link with instructions on what to do next. And you can see I can give this guest full access to edit and share with them. People only be able to edit but not share with others to be able to comment. So be able to view comment but not at it or read only access. You can invite as many guests as you like to view and edit pages as you want. There are a few differences between guests of a page and members off your workspace. If you want members of your workspace, you will have to upgrade your notion account to a team account and there is a price pair. Use a member you can find details of all your members and guests if you click on settings and members in the sidebar. So here you can see I have one guest on one member myself. Guests can't be given what space white access. They must be invited to individual pages in order to view them on their sub pages. Members can have workspace white access. So here with Ben, we can see he's only got access to one page, and you can remove his access here if he needs it as well. Guests also can't create new pages outside the ones they have access to. They also called the just any workspace settings or billing information on can't add new members to the workspace. Only members can also be added into permission groups. Permission groups are used to control page permissions from the share many. So here I have a group called Social Sports Mixed team. When I click share, you can see I can enable or disable access to this particular permission group. If you give a guest or remember permission to comment on the page, they'll be able to add discussion here in the top. There will also be able to comment on in particular area of the page. They can click the six dots click comment. Then they'll be able Teoh. Add that comment, and you can see the comments appear here as a speech bubble, which you can expand to look what's inside any changes made to your pages. You'll confined here up on the right in updates if you follow the page. So this shows the history off all edits made on this page by myself or any other guests. So that's my summary off sharing and collaboration in motion. I used the features to share travel plans. Make details of an event public. You can use it to get organized with a partner or share progress of a mental lots of different ways. This could be useful. I'm aware of teams with nearly 100 people or using it together. I hope you found this summary useful. Andi hope that eventually notion helps you get more organized, working together with other people 11. Dates and Reminders in Notion: this video will go through dates and reminder notification functionality in notion this could be useful. If you want to do a journal involving dates or receive alerts for tasks based on dates, you can create reminder notifications to draw your own attention to a certain page task or event. You can get these notifications on your desktop email or mobile within notion. If you're in the browser or desktop, go to settings and members. Then go to my notifications to toggle on or off notifications for both mobile or email. It seems. Actually, if you talk about on both mobile and email notifications, it will mean that you will not receive email notifications because mobile notifications take priority. So if you want email notifications, you've got to turn off mobile push notifications on any page or the title off a page. You can use the at syntax to create in line dates. For example, if I type that today in a title, you see many bowel comes up. Andi, I can select this and I can select today, and what will happen is that this text will automatically update when tomorrow comes. This would change to yesterday. It's based on the time I typed the date in. We can put in other dates in the past or future. Andi a time to, for example, next Tuesday at 5 p.m. You see, we've got the date in gray, and if we click it, it opens a date picker, and this is where we can change the date and also set a reminder. This will send a notification for that page. I did see a phone, email or desktop depending on your settings. When does a reminder set? You can see there's a clock next to the date. Another way to do a reminder which is quicker is the type at Remind. Then you can put the date. If you create a date of no specific time, that will send a notification at 9 a.m. On the day of the event, any notifications will first appear as a red badge in all updates. If you click on a badge and read the notification in all updates within five minutes, the notification will be marked as red, and you won't receive any more notifications. If you don't read it after five minutes. No, shouldn't will try to send a mobile push notification. If you have enabled that if you haven't enabled mobile notifications but you have enabled email notifications, then it will send an email notification. I might want to have sections such as Agenda notes, decisions on next actions. Well, I don't want to do is create all of this again next time I have a meeting. So let's go back to the project page and create a template button. So which is starting to block and type slash 10 plate button and you've got this block come up. Firstly, I named the button I'm going to put at a new meeting on in this template section. This is where you can and content, whether it's text check boxes or pages themselves. So what you see is this button has a plus on add any meeting, and when I click on that underneath, it will create a project meeting page in which I can stop typing in C. Let's go back on. If I wanted to add another meeting, I just click on the button again. And here we have another blank template as you have more meetings, and if you put a page title of a date, it will keep a record of all your past meetings. I hope you think that's pretty cool. I also use templates for daily planners and weekly reviews. I hope you find creative ways you can make templates. Buttons work for you, too. 13. Windows shortcuts for Notion: this video will go through, creating a short cut to quickly open notion on your computer. This works. If you are using a browser to log into notion rather than the desktop application, I'll be demonstrating how you can do that on Windows 10 and I'm using Google Chrome. The idea is you can have something in your Windows Task bar at the bottom, which will take you to the page you want in notion quickly. This technique actually works for any Web page you want to quickly open and Windows, actually. So here I am in Windows, and the idea is, if I click this, I couldn't task. It will quickly open notion to the page I want. In this case, disk is my task list. If I click it, it will open a Web browser and take me to my tasks database. So I'm going to show you how I did that. Let's say I want another shortcut here for my shopping list. Here is my shopping list, and what I have to do is bring crime is going to the top right to dissect ing's. It's more tools and click create short cut name it and what this will do, it will create a short cut on your desktop. Here it is. You can see we have the notion icon. But we can use a different icon. Introduction to Databases in Notion: this video will go through the different types of data bases in notion and how they might be useful. A database is an organized system that makes it easy to search, select and store information for personal use. Databases might be good for tracking your tasks and projects, creating a shopping, reading or films list, storing or categorizing notes, managing your contacts and business cards for teams. Databases could be useful for tracking Project's tasks and issues, mapping out a product roadmap or creating an editorial calendar. There are a number of ready made database templates that notion provides. When you create a new page and choose template, you can see a preview off the ones they provide and select. Use this template to add them to your workspace in notion. Databases are great when you want to see information in different views. When you create a database in notion, you can view the same data as a list table, board, calendar or gallery. You can group sort and feel to this information. Here is an example of the database that I use. This is for managing my tasks here. This is a board view on. What I've done is group tasks by status, and I can drag and drop items in a different status groups I've created. I can also fill toe items in database. If I click filter and a filter, I can say I only want to see items that are marked with the project glorious. I can also create new views. For example, I can see the same tasks as a calendar, which looks at the due dates I've given them. For each item in the database, there is a page. If we open the page, we can add further content, including comments. On this page, you can see there's an option to add a property. A property is used to hold different types of information regarding an item in a database. There are various types of properties you can choose from, which include text option, select dates, check boxes, vials and more. There are also more advanced options that let you customize your database further, like formulas, or relating your database to another database. I'm going to create a new property to indicate a task is very important for this property. I think the most appropriate type would be a cheque books, and now the option to click a check box will appear on every item in my task database. If I go back to my board, V, you will also find a link to properties in which I can choose whether or not a property appears, in my view. 15. Mass update and delete database entries: this video, we're going to look at how we can mass update or delete database entries in notion. Here is an example off a database in Table V. And let's say I want Teoh make a few more of these two priority P one. I can use the left mouse T to highlight and select a number of rows and then right click. And then it gives me the option to edit property. So in this case, I want to edit the priority. So a select priority and it presents me with the options available. So here I can choose P one and you can see everything I selected has turned to P one. You can use this functionality on other types of database visas. Well, such as a board for you. You simply Dragon select what you want to change, right click and it property. And this time I'm going to change due date. Have all of them on the first of June 2021 on. You can see that's updated. Also, when you have selective multiple records and right click, you do have the option to duplicate on delete as well 16. Meal Planner Database: we're now going to go through creating a database wagons creates a meal planning application. This application can help you eat more healthy by supporting you in deciding what to eat in advance. It could help save you money by making sure you know what rosaries you need to buy and therefore not buying things that will potentially go to waste. It could save you time by having you spending less time wondering about lost in the supermarket where that happens to me. So this is an application I actually spend a lot of time in because I like food. I'm going to show you what we will create. We are actually going to have three databases. One is a simple shopping list when we purchase an item weaken market as complete and it would disappear on the list. We don't have the meal plan a data base on the same page. Once I know I'm going to eat for a particular date, I can enter things into my shopping list in a meal planning database. I can put in what I plan to have for lunch or dinner. Extra columns could be added to if you wanted to include things such as breakfast or snacks . Once I know what to eat, I can enter things into my shopping list. These two properties here for the database are actually linking to another database called Recipes. I can choose a meal I already have in my recipes database or create a new one. Here's what you see when I click into my recipes database. I've got it in the gallery view so I could see great pictures of order meals I could potentially have. A great feature about the recipe database is that if I find a recipe on a Web page I like, I can add it to notion with the motion Web clipper quite easily. This is what it would look like in notion it brings in an image on some of the content on a link back to the original website. There's lots of ways you can customize your database. For example, if calories is important to you, it can help you see how much you've consumed in a day. So in these recipes I can put how many calories I think each one is, and it will add up the number of calories per day here. You can see that the calories column is actually a formula property, and it adds up to recipes I have for Monday. I have different views for my meal planner Thes V's. Let me see meal plans have done already to give me ideas. For example, if I should have a healthy week, I have a healthy meal plan to give me ideas. You'll find a link that you can use to clone my meal planning application in my templates document that you'll find in discourse in the next video, I'll go through how are created a three databases to create the application. 17. Creating the weekly meal planner: in this video, I'm going to go through creating the three data basis that will make up the mule planning application. So I've started a new page here in notion. Andi, I'm going to do an empty page. I'm going to start off by creating the table for my shopping list. So what type Slash table. And I want an end line table because I wanted table to appear on this page rather than the new page a title it a shopping list. So the first column will be the items I need to buy, such as water. And for now, I actually don't need these two columns, so I'm going to delete them next. Someone's at a new property, too. Indicate whether I've purchased that item. Will not. Here are the options I've got for property types, and I'm going to use a check box. I'm going to add a filter to this table so that when I actually tick, I've got potatoes or any other item on the shopping list. This will disappear from the list up here. I've got options with this table. I'm going to click filter and a filter, select the property, got it and if it's no take, I'm happy for it to appear on the list. So now I've done that. You can see that potatoes has been removed from the shopping list as well as having groceries on your list. You could use it to track other items you want to buy, but not yet. For example, if I wanted to buy a new laptop, I could add it here, and I could add a cost property to indicate how much I'm happy to spend. I'm now going to add a select property to the database. This will indicate whether an item on the shopping list is grocery or something. On my wish list, I condemn. Create two separate views, one for my groceries, one for my wish list. I do this by hovering over this area and adding a new V on. I'm also going to want a table and let's say I want to separate view for my wish list create. You'll see now that actually are three items because potatoes has not filtered out anymore . What we're going to do here is against create a filter again, full items that we haven't got yet, but also a filter for just wish list items. So one way we can create a filter, it's hover over the column that I want to create a filter on Click there, select and filter on. We want got. It is not checked that removes potatoes. Now, if we would just want wish list items, we do something similar here. Click on item type, click and filter. We see our existing filter there, but we also want item type equals wish list. And now you see only my laptop item remains. So this is my wish list view. If I select this drop down, I can go back to my default view. Let's rename default V to groceries. But clicking on the settings here and adding a filter on my groceries list, I might think that the cost is not important so I can hide this column. I don't have to delete it. I don't want to delete it because it's still needed in the wish list. However, I could hide it by clicking on this and selecting the hide option. So now I have two views to my shopping list groceries on wish list. The next thing we're going to do is create our recipes database. We're going to do this by creating a new page database as a gallery, the type in database and slash and I select gallery full page. Let's puts title Andi Delete the current item in a database. Here is where I'm going to store all my meals. Let's and an example. Click new. Let's create a meal. Roast chicken. We could actually use the tag properties to mark this meal for lunch or for dinner. We could add more information here as well, such as how to make race chicken the ingredients. For now, I'm just gonna and a picture slash image, and I'm going to add something from Splash. One tip I have is that you can add recipes that you find on the Web page that you like intonation for dude notion. Web Clipper. When I click on a nation led Clipper, I can say I want to add it to my recipes database saved the page, and then the recipe should appear, with notion downloading the picture from the Web automatically with the Web link to the original Web page on some content. When I went to create 1/3 database in our meal planning application, and this is the weekly meal planner. To do this, we're on our page where we have the shopping list and we have our link to the recipes database. We're now going to create another table, and we're going to do it as an in line table, and we go is called a weekly meal. Kanneh in the name column. We're going to put the days of the week. We're then going to delete the existing properties in the table. Now let's create two columns, one for lunch, one for dinner on These are going to be properties that are a relation to the recipes database. I click on this new column. Andi, the property type. I'm going to select relation, So here you can see a relation allows you to link pages from other data basis. So we want to link to the recipes database. So let's really in the columns on going to rename this lunch. What you can do now is then fill this column. We have items in your recipes database, or you can create a new recipe. Click away and we've got it for lunch. If I want to add something that's not in the recipe database, like for Tuesday lunch, want vegetable pizza? I can click here, start typing in vegetable pizza, and then it gives me an option to create a new page in recipes. I'm going to do that, and now you can see I've got a vegetable pizza. If I click into one of these, it will take me into the item in the recipes database. The recipes databases here. It's a gallery view. You can see we've added vegetable pizza and we can add a picture if we want to. Back in the weekly meal planner, we can add enough color for dinner. It's skin a relation type. Select Recipes database renamed The Column. The neocon start adding recipes here as well. I conclude it. I can include options for restaurants and dining out in the recipes database as well. This weekly meal planner could also be useful if you are counting calories, for example, on roast chicken. If I click into the recipe, I can add a property regarding how many calories this meal is going to be. It's going to be a number property, and I'm going to put 700 as a guess. Let's say my next meal is 800 calories. The properties already there, and I could rename that calories on this table. What we want to do is showed the daily calories in a column. We do this by first creating columns to look at how many calories are having for lunch and dinner. We need the role of property. To do this. Let's rename this calories lunch configure. Roll up, select an existing relation lunch and choose the property calories and calculate the some. So it seems we bought so you can see there's 700 calories here based on what we had for lunch. Roast chicken. Let's do the same for dinner. Roll up calories, dinner configure, roll up dinner and calories. Andi. So now that we've created these to roll ups, we want to add these two columns together because that's going to give us the calories of the day. I'm going to create a new property, and this time we're going to choose Formula Field renamed their Staley calories. Configure the formula and we're going to say we're looking at calories. Lunch plus calories, dinner done. Now you can see that this column adds up what we had for lunch and dinner. We don't really need to show these two columns so we can hide them rather than deleting them. And now we have weekly meal planner that shows lunch dinner on daily calories. I hope you can see how you can customize this further if you want. If you want, you could add snacks or breakfast. You could also correct more views for the database. You can clone my version of the database by finding a link in the templates document that's provided of the course. 18. Your Notes Organiser: this video will go through how you can use notion for notes. We organs cover how to take, manage and find notes in notion and the advantages of doing so. After this video, I hope you can see how notion might be a better option for notes than pen and paper, A word document or other note Taking applications notion could be a great tool for all sorts of notes. This could be notes on ideas, journaling, project meetings, glasses, travel plans. What I want to sing for karaoke A. You can store anything digital in notion all your life notes in one place, so you can easily find them when you need to. It gives you a single place for your notes. Ideas on lists. Basically anything having everything in the same application lets you find what you're looking for Quickly as your notes will be online, you don't have to be worried about losing them like paper for capturing notes. You can do so both by typing on a computer or using a mobile device. Creating a page is easily and could be done in number of different ways. For example, I can click on the plus button over any of the page links in the sidebar that I have, I can pick a template. Lucky. Just start typing The content blocks in pages are for many different options beyond just typing. You can also in bed videos or audio in your pages, upload files or in Bend Google documents, and you can easily share notes so multiple people can review or contribute to the same document. I have a section for uncapped Arai's notes. You'll see I've created a template button at the top, which lets me quickly create a new note. Andi, have that note on the go to the top of the page. You'll see I have all sorts of things in notion. From close. I want to buy a record of my charity donations. How long the curtain beam I need to buy needs to be planning for events. Exception. One main advantage it has over over note taking applications is that you construct your workspace. How you would like with notion you can great multiple pages for your notes on organized? Um, you'll see on my home page. I haven't area for notes and lists of a number of pages. You can have pages within pages to arrange a structure. And there's no limitation to the hierarchy, like some applications such as Evernote. For example, In producing this course, you can see I have a dedicated page and we've been dissipated. I have a page for each lecture, and you can easily change your mind about how you want to structure everything. You can move stuff around very easily, something that's a lot harder to do for using something like Microsoft Word. And of course, we can always favorite pages and order them in the sidebar. You can use a quick find on the sidebar to retrieve any notes in the system you have entered Previously. For example, I have a page on an upcoming trips to Japan, so I can type that in on it should find the page. 19. Task Management in Notion: there are different ways you can manage tasks in notion. This video will take you through some of the options. There are simple ways in which you can manage your tasks and that are easy to set up. This sort of approach would be relevant if you don't think you need a complex task manager . If you want to track tasks by project, including Calendar, have a task sport set, ongoing tasks, assigned responsibility. This is possible to the beauty off notion is that you can customize it to how you like it. You might have heard of getting things done, which is a popular productivity system created by David Alan. You can also adapt notion to work with that system. I'll take you through my task management system, which uses the database functionality in notion. I used the database so I can see my tasks in different views. For example, I might want to see my task displayed as a calendar to monitor due dates or an inbox table in order to easily capture new tasks or as a cam ban board in which I can group tasks by status. I'll go through how I manage recurring tasks which are useful, for example, for trying to develop good habits. My tasks database is also available for you to clone and personalize. I'll provide a link in my notions template pdf that you get with the course. Let's start off with a simple way to do task management. You don't have to have a complex system or a database to manage your tasks if you don't want to. A simple approach could be to use a page of check boxes. This is a template. That notion provides called lightweight two DUIs. You can create check boxes, and then when something is complete, he can I take the tasks or move it to a different column or turn of a page. Reminders can be added for I don't mobile or email alerts. Well, I can do is type at Remind today. 6 p.m. I'm going to take you through my task management system now, which is created using a database with multiple views. We have status and you'll see here I've defined several different options in which I can choose the one that's the most relevant. We can put a task within a project. This is another select property, and we can. She's an existing project, or we can add a new one. The due date is when a task needs to be completed for a particular deadline. This lets you open up a calendar when you click on it and also lets you set a reminder the due date or so lets you manage a calendar view of tasks for recurring tasks. I complete this. If it is an ongoing task, I want to be reminded I ever on a daily, weekly or monthly basis. Potentially, I have a table view, which filters all of the recurring tasks that I need to do, which I'll cover in a subsequent video. You can admiral properties if you want or change the names of existing ones, just like standard pages you can and further content blocks or comments. This is my today can burn board where I spend most of my time managing tasks. You can see that the board is grouped by status I have. It's a day status that I put the tasks that I went to get done today. I try not to put more than five items here so it can help me to focus on what I need to get done for the day. When something is done, I can drag and drop into the completed column in a board view, you can decide what columns you would like to see or hide on what order they appear. So I can say I want to hide the white list so I can click on the settings area, Click hide and you'll see it becomes a hidden column. And if I would like the in box to appear, I can simply click on that. Go to the settings Click show, and there appear and we can be things around. The Properties link lets you choose what is displayed on the cards in your view, as well as change or add properties so I can show or high projects. For example, I can also choose a different grouping for my board. For example, instead of grouping by status, I might once a group by project, like the other database views, I can add filters, sort criteria or sexual keywords. You can have more than one board V for your task state base if you want to. In this view, for example, I've hidden tasks that are still in the inbox and tasks that arm or in the future, which I have grouped under the status que you can have more than one board v for your task state base if you want. See, I have a board I call or tasks in which I can see all the tests that are beyond. Does that I want to do within the week. Let's check out a calendar view. In summary notion is a workspace, which you can personalize to manage tasks. How you like it. This makes it, in my opinion, much more useful than other dedicated task managers. Tracking Habits and recurring tasks: this video is going to be how you contract habits or recurring tasks and notion. Notion currently doesn't have the functionality to create multiple items in a database all at once. If you have a task database, for example, you cannot automatically great a task every week. On the same day, However, there are various ways and potentially better ways you can manage your recurring tasks and habits. Here you can see my task. Money's your database. This is a specific V that shows all my habits or recurring tasks. What you can see here is a select property that indicates the frequency of the task so daily weekly monthly in other time periods. The date feel represents the last time I completed the task, and the idea is, if I have completed the task like I've drunk water today, I would update the due date to today and then it would disappear on my list until actually tomorrow. How this is done is fruitless days overdue Formula field. And then there's a filter on this database to only bring in items that have a status off habit. On days over D is greater than zero. So looking at this clean, flat item. Let's say the last time I've done that is 29th off, mate, and you can see off selected weekly as a timeframe. Well, today is the eighth of June, and therefore it's been over a week since I've cleaned my flat. This is just an example. Of course I'm very clean. So actually, I was due to clean my flat on Fifth of June. However, if today's the eighth, it's three days overdue. And that's why the formal here says three. That's why it's not filtering out that particular task. However, if I update the state today, it disappears, and it's going to appear once it's do again, which will be a week from now. This habit tracker is part of my task manager database, which is a template that are making available for you to download is part of this course. We get the link you can click on share and in duplicate the template into your own notion to adapt. I'm now going to go through how the formula works to create the day's over D property. There's actually enough of property behind the scenes called frequency, so this property looks at a time frame. And if it's daily, you'll put one weekly seven on monthly 30. This may look complex, but we don't have to worry about that. The formula is already created for you. I got the idea for this fruit donation community. All you need to know is that days overdue is a formula that uses the frequency the due date on what date it is today. And this is a property that I filter on in order tea. Remove any tasks. That's how I know D. We don't really need these properties in RV so we can hide them. So we're formulas. You can really extend what you can do in a notion database. I'm not a code or even myself, but there is a formula reference guide where you can copy, paste and adapt examples. I also linked to it in my resource is document. They actually took the formula from a template posted in in notion Facebook group. There are average users and fans out there, and they may be willing to help you further and share their own templates. The template was actually a contact database someone was using on individual wanted, a way to regularly keep in touch with friends. I didn't cloned a template and adapted it for recurring task management. So once you have put all your recurring tasks and habits in your tracker, you should remember to review it on a regular basis. Reviewing this list for most part of my personal weekly review that I do, you would then be more likely to keep on top of your recurring tasks on develop good habits . And, I believe developing good habits, a really key in achieving what you want, especially if you have ambitious goals. 21. Project and Goals Manager: this video will go through a way in which you can manage personal projects and goals and notion the projects and girls manager I'm going to introduce is designed to help you figure out what steps you need to be taking to achieve what you want and to keep you on track. If you use the projects and girls manager, I believe it will help you with having a process in place to regularly review your goals. It will help you to think about and record what projects, habits and tasks that you should be focusing on. Therefore, take action action that leads to change like order, templates and notion. You can personalize every aspect of my version or there are other approaches you can use notion to manage your projects and goals. You can just take the ideas that you like from what I introduce and create your own version that works for you. With my version, I have taken inspiration from various personal development ideas, such as David Allen's Getting Things Done system on Tony Robbins Rapid planning method. I've shared the link for you to clone my project and goals template in the notion resource is and templates document provided of the course. The approach I'm going to introduce in this video uses the database functionality in motion . The reason I've gone for a database approach rather than the standard notion pages, is that it makes it easier to link my projects to my task database. In my task database, I can update a task so that it is related to a project or life area. This is done by creating a relation property in my tasks database. When you add a property click relation and then it lets you create a relation to another database Back in my projects and goals. Manager I've got three views. Current projects, long term projects, areas of focus on my life board. I have a view for current projects, which are those that can be achieved within a year and that I want to be reviewing, ideally, at least on a weekly basis. You can see I've added properties to track a due date on priority level former projects, and we can filter or sort by these properties as well if we want to. Currently, you can see there's a filter for just current projects, and I'm sorting it by priority level. I would want to make sure I focus my time on the high priority projects and reviewed a more frequently down my lower priority projects. I then have a separate fee for longer term projects. These are projects that will take longer than a year to achieve. I separate these out from my current projects as I will be reviewing these on a less frequent basis. For me, that might ideally be in a monthly review. My current projects via is meant to help me focus on what I should be prioritizing. Currently, my longer term projects may involve a lot of work that can be broken down into smaller projects that I will be tracking in current projects. With my life goes, I am treating them as if they are projects with my goals. I believe it is best practice to have a system to review them, which would include being clear about the tasks, habits and smaller projects I need to do to achieve that goal. Like my other projects, there will be a due date on. It will have long term goals on more immediate goals, so my goals would either be a current project or a long term project. Projects and goes, are all items in this same database in my projects Indoors database. I have a view on life areas such as career help from fitness and finance. This is a gallery view, and I think it's a good way off visually displaying them. New projects and tasks could come out of wanting to improve on one of these life areas. I can also update a project so that it is related to another project or life area. This is done through the parent and Children properties when you create a property off type relation and you relate the database to itself. Discus ZD option of creating parent and child items. So, for example, parent task and child task or, in the case off my projects database a parent project on a child project so that I can tag a current project with a larger, longer term project or life gold, for example. Here in my complete notion online course project, you can see I have apparent project off career or business. I can add an additional one. So, for example, it actually supports my longer term project off donating a £1,000,000 to charity. As if my course does well. I'll get money from this, and you can also see related tasks which sit under that project. I'm now going to demonstrate a database template for projects. If I click on the drop down next to new, you can see I can start from an empty page or cheese from a database template. Your factories project. You'll see this pre populates the page with appropriate properties and content so you can see already I have the type current projects and content below, including a lynx database to my tasks, which I can filter to show only the tasks for a particular project. Does Template that I created is inspired by a method by Tony Robbins. The rapid planning method. This is a tool that Tony mentions as the one above all others that can influence the quality of your life. It's about creating a vision off what you want and making it riel and notion and help you do. That rapid planning method also can stand for results orientated, purpose driven, massive action plan. The first section you'll see is outcomes. This is about getting clear on what you really want to accomplish what is a specific, measurable result. And the more precise we get, the more clarity we get in knowing what we have to do and what to focus on. The second section is purpose. Why do you want to do it? This also helps develop clarity. It can help you discover how much priority you should give your project or gold. Is this something you should do, or is it a must do as its key part of who you are? When something becomes something you should should do to a muster, you're raising your standards on what is acceptable to you in your behavior, and knowing why you want to do something could give you the energy and belief to do what it takes to achieve a goal. The final section is actions listing out or the things that you need to do and by when having my task database linked from the template means that any tasks that I put in my action plan will go directly into my task state base and therefore my process on getting things done. I hope this gets across how notion and help you with your projects and goals. I recommend researching further on best practices on achieving and managing your projects and goals. You may get ideas for your own notion, templates and how you might want to design your system so that it works for you. In the next video. We're going to go through how you can do weekly monthly reviews on plans of in Nation to help with moving projects along. Weekly Reviews: in this video, I'll take you through the process off how you can use motion to do your weekly reviews or journals for your life. It will involve looking at how your projects are doing, getting things out of your head on into your system and preparing for the week ahead. If you're also doing daily reviews, your focus will be on more short term aspect, such as today's tasks and schedule for monthly or annual reviews. The focus would be much more longer term projects and goals, so reviews or journals could be useful for personal development that can help you stay focused and organized. They can be a key component of your life management system to ensure your tasks and projects you've written down our acted on and there are different ways you can do your view approach. All present is looking back over the previous week. What did you achieve? Are there any lessons that you can take on what went well, what could have been done better and what you're grateful for? And then looking forward to reveal in the next week, looking at what you're current projects, goes and tasks our priority. And what are the actions you have to schedule? The key benefit of using notion to do your weekly reviews ahead of paper and other applications is being able to create personalized templates that you can reuse in my resource document that comes of the course. You'll find an example template for a weekly review that you can clone. Building your Life Productivity System: Hello, It's yellow. I believe it's really helped me get even better at planning, focusing on my priorities and getting more done. Find it makes capturing, organizing and finding information easy and enjoyable to it's a system that doesn't need lots of clicking and updating to use. I hope that this video can give you ideas for building your own notion set up and how you can engage of it. You'll find a link to my notion Life productivity system template in the resource is which you can duplicate and make your own. The key part of my life productivity system is the life database. Are now have one notion database where all the tasks, projects, notes and other information is stored. Then I have created pages that can display relevant in multiple views of the information accessible through my life Home page. The reasons I have one databases store nearly everything is. This lets me link related information and pages in an even more flexible way and lets me have an inbox system, where it's clear where information should be saved and organized. Here's a demo how pages could be linked to each other on the benefits of doing so. When I create a task, I can link it to a project page. This is done through a tag, which is a relation property to link a page to another page in this same database. This means that on the project page, I can have all related tasks showing on automatically updated. You'll see that I can also have other related pages displayed beyond tasks. Any related notes, events, contacts or resource is that I have tagged with This project will display here. So everything associated with the project all on one page. This makes it satisfying and easy. It's a plan managing work on this project, having everything in one place. Projects can also be tagged and be related to other pages, such as life areas or goals. These also have their own pages in the life database. Let's say I'm looking to plan or review a particular life area where longer term goal this life productivity system prompts me to think what are my projects, habits and tasks now I need to do. And when I entered them in this system, they will appear in my day to day project and task lists. I have set up templates in my life productivity system, for example, when I create a new project as I use the project template, the page is already populated with the tables for notes and resource is tasking. Events on the pages of filtered to display page is relevant to that project from the life database. We can create blocks and pages that display relevant and multiple views off the information . This is my life Home page here. There were some links to keep ages in my life productivity system. Most of the pages display relevant views from the life database. Here is my reading lists where I have articles, websites and books. You see, I have three main sections to do. Resource is and reference on quick links to do our items that require action. What I need to review regularly resource is and reference of pages where I can get the useful information I saved quickly and quick links is four pages that I need to visit frequently scrolling down you can see do tasks and active projects. These are all filtered views from the life database. This set up lets me capture, categorize and review information easily. There's a clear place to save everything that prevents my notion set up becoming messy. The notion Web Clipper is one way I might be capturing information. For example, if I see of YouTube video, which I want to review later, I can save it in the notion Life Database I have the Web Clipper here saved the page, adding it to the notion Life Database. Then I click open in notion, and this is where I can confirm the type of information I'm saving the video and tag it to any other related pages. Once I've done that, this video I'll be able to find in my watch list as well as as well as any pages I've tagged it in, such as health and Fitness. Once I've watched the video I can take on the video is hidden through the filters and archived I've designed to life productivity system so that I can quickly create a note within notion. On this notes page. There was a template button where I can quickly shut something down and it creates a page. When I have times organize and review my notes, I can add it to my life database. My dragon, Drop it in Here on it now shows in the in box area off my notion Life database on this is where I can confirm the type of page it is. Perhaps this is a task on at any tags. Then my page will be stored in the right place. I hope this has given you some ideas of ways you can improve your own nation. Set up. Introduction to Getting Things Done: this video is going to cover how you can implement the getting things done. Productivity System with Notion Getting things done is a popular productivity system developed by David Alan. It's also a book. It's based on the idea that you can benefit from having an organized system to approach tasks and projects. And when you do this, you can easily more focus on your priorities and avoid distractions while our summarize some key principles and processes in getting things done. There's only so much detail I'm going to go into with the methodology. There's a lot of places you can find information on that, and we against focus on how notion can be used to implement it. If you haven't read to getting things done, book, I highly recommend it. There's also website getting things done dot com where you can find an introduction and some useful resources. There's also lots of free resource is on YouTube and other places on the Internet. The getting things done method does not recommend a particular software toward, however, it is my belief that notion could be the best tool out there to help you of getting things done because of three reasons. The flexibility of the application of what you can do with blocks and pages, what you can do of data basis, including having multiple views. The notion reduces the need to have separate applications for actions, projects and reference. You don't have to religiously follow every aspect of getting things done in order to get the productivity benefits. You're meant to use the aspects that work for you and personalized your system to match your needs. So personally, I don't follow everything that getting things done recommends. But I have incorporated most of the principles, the recommended workflow and many lessons from it into my own system and way of working on a high level. Getting things done outlines five stages to managing items that you have to deal with. Capture, clarify, organized, reflect on engage. I'm going to go through each one and present a way to manage to hold process. In notion, I've also created getting things done templates in notion which you can clone. You'll find his links to my templates in the notions resource is pdf included in the course 25. Capture - Using Notion as an inbox: The first stage capture is the idea that you should make sure your to do's ideas and notes are somewhere other than your head. I've written down on paper, your phone or on a computer. This is for anything that has your attention. This is so that, firstly, you don't forget about it. And secondly, you don't need to spend brainpower or time that you might not have to think about again until it's actually time to do that task. This could be physical inboxes or virtual in boxes, and the idea is that the feel in boxes you have, the better so that you can cut down on time and complexity. We're reviewing all your inbox items. Notion can act as an inbox. I have my inbox is part of my tasks database. Here I have a table V where I can lend to ready think that comes into my head, and I don't want to forget. This table has a filter to show items of a status of blank, which means to me it's a new item. I want to make capturing thoughts in my head and into my system as quickly as possible, And that's why you'll see, I haven't filled out any of the other columns yet in a capture phase. I don't have to decide what I need to do next or to do to action. I'm also able to use the notion Web clipper to get things in my inbox. Remember, you can also use the notion mobile app to enter things into your inbox when you are not on a computer. What to do next with these items is for the next stage clarify. 26. Clarify: the next step with dealing with each item in your inbox is to clarify what we have to do with it. So the question to ask is, Is each item in my inbox actionable? Yes or no? If it is actionable, then we must clarify what the next action is. This is so that you can see clearly what you have to do next, and there's no barrier to just doing the task. Getting things done recommends that if this anything he can do right away in under two minutes and have the time to do it, get it done straight away. This rule is meant to help you overcome procrastination and laziness. Your so won't spend energy having to re look at the task when it's not done. If it's something you have identified, what the next step is, then it should go on a next action list. If there are multiple actions, we may have to add it to eight projects list. If your inbox item is no actionable, then there's a choice of three things you can do. Trash it violet as reference or incubated, so trashes for non actionable items. If there's no value keeping it let's get rid of it. For example, I might have captured an issue where someone complained about my course. Then I might decide there's actually no action and I don't have to worry about it. So I trash it and move on. There are some items that are not actionable, but you want to file as reference. This is for information that you might want to retrieve at some point. For example, I have details off my mobile phone insurance or you may have details of your cat for your vet. I need to keep the details off this somewhere, but there's no action that needs to be done. I file it in reference, as I might need to retrieve these details at some point. Incubation is for items that don't need any action right now, but might need action in the future. We're getting things done. You have two options to organize these kinds of items. Firstly, put them in a someday, maybe list. For example. I want to go to Hawaii for vacation, but I can't afford it yet, and I don't know when I will be able to. That would go on my son. They may be list. Anything that has a set date, such as an event or a dead light, should go into your calendar or into a reminder system. 27. Organise in Notion: he organized stage is about putting things where they belong. In your system. My system is notion. So let's go through the inbox and see what we have. So here's my inbox. I have a few items, so I'm going to move them where they belong in my system. So the first item go food shopping. I need to do that today. Aiken set a status off today, and if I set any state is it actually disappears from the in box because of my filter. Where the inbox is status equals empty. The actual task has stayed in my task manager system, but I can see it in a different view. I'm also going to give it a due date first, and it belongs to the project off me, creating this course. Now let's meet this two status later, so I've created a notion database for meal planning. I don't want to populate it with some more meals, so it's not urgent. I do want to get around to. Sometimes I'm gonna pull it into next actions on There's no any specific due date piano practice. That's an item I'd like to do this week. So I'm going to put it into next actions. This task here is the article that I wanted to read from which I got from the notion Web Clipper. I would say, Actually, this is more of a reference rather than a task that I have to do. So I'm going to move this in C my links database. I want to go to Hawaii. That is one of my someday maybe lists. So I'm going. Teoh, change the status of destiny later on. No due date. When I get round, see reviewing my later list, I will see that item you see five personalized getting things done, and I don't follow it religiously. For example, I don't call my son. They may be list someday, maybe as a status, I personally find it more appropriate to put it in my later list. So in notion, you can have customized views off your tasks. If we have a look at it today board, you can see I've got free items today and 10 items for next actions. This is a cam ban or board, have you? And when something is completed, I couldn't drag it here. I try not to have more than five items in my today list. These are my immediate priorities. Next actions are things I need to do soon. Some of these will have a due date and you can see what project they belong to here because in the properties I've turned on the projects taco. So this board is helpful for me on a daily basis. Well, if I'm doing a weekly review, I might look at my or task sport because this includes the tasks I want to focus on later and also any items I have on my waitlist, which are things that are dependent on someone else for recurring tasks such as habits. I have a status called habits. These are things I want to do on a regular basis, whoever it's daily, weekly or monthly. I have a time frame property to help me manage this, and you can create a specific view for or your habits or recurring tasks by putting a filter on a table V, for example. And in my template, if I update the date of a particular habit to, let's say today, it will disappear from my list until it is due again, depending on the time frame. So in summary, with regards to managing tasks in notion when you identify actions in your inbox, they will be given a status survivor today if its immediate priority next actions. If it's something I want to do, see later if it's something that should be on my someday, maybe list or perhaps doesn't need to be done for a month. Wait list for items where I'm waiting for someone else. Habits for recurring tasks under go into the completed status when they're done. Getting things done defines projects as anything that needs to be done. That needs more than one action, and it recommends that you keep a list. I have a separate database for projects, although this is linked to my tasks database. Here is a list off my current projects. I don't actually put everything that needs more than one action here. Otherwise we could end up with a long list of active projects. How getting things done defines projects as anything that needs more than one. Action is quite a broad definition. The projects I have here on this database of those that I think are important and complex enough that I want to break down into multiple actions. I try not to have more than five Priority one projects so that I can make sure I dedicate my time to what's important. Let's look at a project page in a project. I can add a due date, apparent project and define the type. I have a template for a project where there is content for project planning based on the rapid planning method by Tony Robbins. Here you can see I want to define what the results are. Outcome off my project is why I'm doing it So the purpose. And here is a linked database to my tasks that's filtered by my particular project so I can see or the tasks related. I can create new views here as well. Such a seeing my whole project in a board V. I have a separate type category for long term projects which I define as days that would take more than a year. This is because this list I do not have to review is frequently as my current projects. I also have a new project, Template Button, which creates a new project page when I click on it. This is pre populated of the Tony Robbins rapid planning methods, structure of results, purpose and massive action for things in your inbox that don't have an action. One of the options is to file. It is reference. Notion lets you create your own reference system. You can customize it, how you want and with notion. Everything you've put in reference is in the same application as your inbox projects and tasks you can see in my home page. I have pages for notes and lists, which are typically stall reference items for the example of mobile phone insurance in case I lose my phone that's currently living it might uncapped a cries notes. I could add the page category, such as contracts, but but I don't because I could still used a quick, fine functionality to retrieve the page quite easily. In notion I stole items I need to incubate in a task status called later. This includes both Anything I need to be reminded off at a future date as well as some I some day, maybe items if I want to use a date reminder to prompt me to review the item when the time comes, I can do so if I want to. I've chosen to put someday maybe items also in later rather than a separate list, as it gives me one fewer lists. Manage. If you feel like creating a separate task status for a someday, maybe list as you think that would work better for you, you can do so. That's the beauty of notion. I might not necessarily put a due date on all items in my later list, particularly for someday, maybe items. However, I should get round to looking at these non dated items as a part of a weekly or monthly review for calendar items. You can create a calendar view on your database. You can see my tasks by date, and I can drag and drop to move the dates for actual appointments and events. I actually don't use this. I use Google calendar in getting things done. The calendar is used only for things that has to be done on the date indicated. Now I use Google Calendar because that is what I have to use a lot in my other job. All event invites I get are automatically put in my Google calendar when I accept an appointment by email. And it's not worth me bringing that information also in notion for me. It works fine separating appointments. I have to keep on a particular day separated from my tasks. No, everything has to be a nation. Do what works for you. 28. Getting Things Done Reflect: for the reflect stage of getting things done in notion you can create journal planner pages to help you. For example, I have templates for a daily, weekly and monthly review. Here is my weekly review page, and when I click on the template button, this creates a new weekly Reavy. The weekly review is an important part of the getting things done process. This involves getting things out of your head. Processing your inboxes on reviewing your projects involves cleaning up, updating your lists to clear your mind. You'll see here I have check boxes on the items I have to do. In my review. I've also added a few ideas I've taken from personal development best practices such as thinking about what I'm grateful for, what went well and what lessons I learned. You can customize your template for planning the week ahead or for bullet journaling to David Allen in getting things done explains that there are different horizons of focus you can reflect on. We've got actions and projects which we've gone through on the bottom on a higher horizon of focus. We have areas of focus and accountability. Then we have goals and objectives, vision and purpose of principles. Areas of focus on accountability could be something like finances, family or health. Or it could be specific career areas. Then you have goals and objectives which are more long term. He should help you with deciding what your areas of focus our then after even longer timeframe, you have your vision, which is the picture of weighed, like to be in 3 to 5 years, and everything else should lead you to what you want your life purpose to be order. Different horizons of focus should be derived from each other. So in notion, I have in my projects in goals manager, my current projects and then my longer term goals and objectives are in a different table view. My areas of focus are in the second database in a different V. They are all linked to each other through the properties, parent and Children. So here, in my purpose, positive impact in charity Aerial Focus. A child project is growing my sports meet up good sexual sports mix. So if I click on that page, it will show that the parent project for this is purpose positive impact in charity. It also part of my area of focus off having fun. Engage: the last stage for getting things done is engaged. This is all about choosing your next action and getting to it. Once your system is in place, it should be easier to figure out what you should be doing next. Your to do's should be aligned with your longer term goals. They are grouped by status. You have due dates on your tasks, so notion can help. You know what to work on and went of effect is that you may want to consider when deciding what to do next is where you are the time a task will take the priority and your energy level. You can add other properties in your notion Tarts database to help you of this if you require. For example, getting things done recommends adding context, which he used to categorize where in action should be done, such as home computer cause office. This is so you can see what tasks Seacon day, depending on where you are. But I don't have that in my system as I mainly work from home, so there's no exact method off implement in getting things done. You're meant to personalize the system to match your needs. There's so much you can do to personalize your system with nation, and that's why I think it's such a great match for getting things done. 30. Conclusion: congratulations. You can drag and drop the's content blocks anywhere on the page or to another page and can nest pages of in pages to create your own structure on how you want to organize everything . Now from all this super functionality. That notion provides. I have created this life success planner. I'm under no illusion that having this success planet guarantee success. But I believe that it's helped me and getting more organized focused on my priorities on Get More Done. It's notion set up that is all about making plans on your goals. So perhaps it does increase the probability of living successfully. And I feel I have achieved my goal of having an effective system to keep the manage of my tasks, projects, notes and lists in one place in my life Success planner, I have design things that I'm able to link pages with other pages through tags. This has taken the way I planned projects, goals and learning to the next level. I can tag a task of a project context, personal goal or life area on a project goal or Life area page. I can show all related tasks as well as meetings, notes and resource is I also keep videos. I want to watch articles and books I want to read. My design approach here for the home page is that, ah, want a central place to quickly access pages on for it to display things I should be working on here. There are links to keep ages. You'll see I have two main sections to do on Resource Is and reference to do our items that require action or that I need to review regularly. Resource is and reference our pages where I can get to useful information I saved quickly on my left side bar. I have favorited pages that I visit frequently, and for my cover pic, I have a picture off my sports meet up. I organized also on the home page. I've got dashboard like elements displaying what I should be focusing on today. Scrolling down I have do tasks. Do tasks are those that are not completed and have a date equal or less than today. I've also used nested filters to include any tasks that are not marked with the date. Then I have my calendar, which is a Google calendar that I've embedded and then I have projects. Projects are defined as things I need to do that require some planning on multiple actions . My home page displays does that have marked as active? So on my life home page. This is both an updated snapshot things I should be focusing on today on a place where I can access quickly, keep ages. I also have a version that I have duplicated so that my personal information isn't in this video later on. Also, for people who want a copy of my template, let's explore their to do section. These pages will display views from my main master database. Scored the life success planner. Starting with tasks, these are actions that need doing that may have a deadline at the top. We have a do talks table. This is done by filtering the main master database with items where the type of task and done has not been ticked on. The date is on before today, on the filter of the database defines what is shown so tasks are hidden in this table when I click on the done box, and if I update a task to the future that will get hidden, too, until the date comes around scrolling down I've added upcoming on undated talks. So here in the filter, you can see that date is after today or the date is empty. I then have my habits or recurring tasks, these air tasks that have been tagged as either daily, weekly monthly, and they'll go through how all that works a bit later on in video. So in my tasks, you can see the done box. Instead of using a done box, you might prefer to update task status instead. So if I use the properties Andi, I actually showed the state's property. We can have options such as in progress completed, not started. This might work better for you if you prefer the board for you, for tasks is where we can drag and drop past two different status is so it might work better for team tasks. Another advantage of having your tasks in a notion database is your calendar V. This is good for easily changing the dates of your tasks. When I am reviewing this life area and I think about tasks or projects that I could just enter them here and then they'll appear on my to do list rather than being on paper somewhere else or another application and therefore getting forgotten about and no action. This is possible in notion, through creating database template pages, projects, life fairies and other types of information. In these data base templates, I display linked data basis, such as related pages. We'll toss and events. The's linked database views have a self referential database filter on the tag property. So what appears in these database views will always relate to the current page. Back in careers. In business, you'll see the filter. The tag contains career business. Now some people that are using notion are still using a separate task manager, such as to do list for their talks. Some people are even embedding that task manager application like to do this as a page in motion, so they're not really using notion for task management. They complain it's too slow to capture a task in motion, particularly on my mobile. Oh notion doesn't work when I'm a flight. Oh notion doesn't do sub tasks. They are saying Girl notion doesn't do recurring tasks. Let me address these issues because I confess in my journey I tried tasks and notion and went back to to do it before coming back to the notion way. So the first point notion is too slow at capturing talks. Capturing tasks quickly and getting ideas out of your head before you forget will become overwhelmed is important. Let me show you what I do on my computer. One open crow to click tasks. Three. New tossed. That's it. And there it is in my task database here, So the key to this actually is my chrome new tough page. I've installed a chrome extension called Humble New Tab Page. Each notion Page has a unique link that I've saved as a Google bookmark, saving me time to get to my tasks on any other key pages in notion. Okay, Second complaint is capturing a task of mobile takes a long time. I have an iPhone and I use an app called Shortcuts. This lets me create an icon on my home page where when I click on it tasks this takes me straight to my task page. Okay. Still too slow. And what about offline? I like the way how to do it. Does it? You may say, Okay, I'll give up. But how about this? How about whenever I enter a task into Du ist so much out of task here quick to do list Andi use. And then I went to set the task. As tomorrow I click at that's gone into my to do list. And now, a few moments later, admittedly, it was about 10 minutes. Here is a task in notion of the due date of tomorrow. I believe integrating notion with other applications such as to do it is going to be much easier to set up without the official AP I. What we can do on integrating notion with other APS is limited. In the meantime, there is worth checking out integration services such as I f T T T ands a pia, as it's not just to do ist, we will potentially be able to connect to other productivity. Applications that can be connected include trail Oh and asana. This might be relevant if a team you work with is using one of these applications, but not notion, and you can connect social media services such as Twitter, Facebook, Instagram and YouTube. We can have a connection from emails, notion or even your smart speaker. When the official AP I comes out, it's going to be exciting. Times okay. Back to addressing more reasons why people don't use notion for tasks. Can't do sub tasks. Let's take an example of a task where there are sub tasks like making a Victoria sponge. So I'm going to my talks page Andi In the new drop down, I'm going to select a template new task and into my task. Make a Victoria sponge. Now, when I scroll down, you see I can enter related sub tasks, for example, by ingredients, and it's automatically tagged with Make a Victoria sponge so I would enter more sub tasks if necessary. Preheat Oven makes ingredients. All of them are tied with Victoria Sponge. This is what we call a self referential filter. I've designed a template where it will filter for attack that contains the name of the page . I always say type equals tusk. All the tasks I listed here will still appear in my main tasks lists, and that's because they're all in the same master database. In my task template, I've also added a Palmer borrow tracker If you haven't heard of problem borrowed. The idea is that you should commit yourself to a task for 25 minutes uninterrupted. Let's move on to habits and recurring tasks. I'm a believer that developing good habits is a key to achieving long term goals. Having a list in notion can help you with doing or reviewing your habits and recurring tasks. Here I have a table of my habits and recurring tasks. Do I have some dates and some tags? Let's take the second example off cleaning the house and that is tagged as daily and under my household life area because it is marked daily. If I update the date today, then it disappears from the table because the task is not do, it will appear in a table once again. Tomorrow. Let's take the bottom task, which is record a video every week. This is tagged as weekly, so if I marked that this was last done, let's say over a week ago on the 11th of June, then it won't disappear from the table. However, if I updated it that I've recorded a video two days ago, then it disappears because it's not do anymore. All of these habits or recurring talks are also saved in my master database, the life success planner. But they are marked with a type habits or recurring tusks so we can feel to them. And I have tags for daily, weekly and monthly that I use in the filter to determine what habits and recurring tasks appear. Let's have a look at the filter, so here you will see I've got three nested filters. Each of them have a filter where type equals habit or recurring task. And then I have a tag that I did contains daily, weekly or monthly. And if it's daily, you can see that I have a filter for date is on or before yesterday. The date is on or before one week ago, on if its monthly data on or before one month ago, when you click the add a filter, you have the option off creating a normal filter or a filter group. So it's great these I created three filtered groups, and I made sure that in between the filter groups I choose all rather than and an advantage of having my habits and recurring tasks in the master database is that I'll be able to relate these two tags, such as personal projects, goals or life areas. As you can see, I have done so in some of these examples. This will help us identify and capture these activities. When we are looking at things on that tire level, such as a life area, let's move on to events. The Events page is for appointments that I may want to do some planning or keep notes for, such as meetings. I've got a dedicated template for an event so here in the content already have a agenda on . I can assign related tasks. Now. I don't create an event for every appointment that I have to keep like me. You might be using another calendar system such as Microsoft Outlook or Google Calendar, where your appointments can get automatically generated whenever you get invites. Notion doesn't replace this for me. However, if there is an event where I want to do planning for. To keep notes on that I might want to review in the future and that would be useful to tag against project will create tasks for then. This is where I find notion to be useful. My event template has a structure ready for agenda related tasks. We could add sections for attendees or minutes if we wanted to. And so when you have actions from the meeting, these are going to go straight into my master task list on my events page. I have actually embedded a Google calendar, but actually what is presented by having data going from Microsoft Outlook into a Google calendar in which it can be embedded on your notion page in an agenda format A week for Matt Oh, a month format. The limitations of this is that this view is read only. But if you click into a particular appointment, you're able to open links up to your main calendar. Let's look at projects. Projects I define is something that I want to do that I need to keep track off, and that has several actions. Projects are stored in my master database, Life success planner, and here I have a filtered view where the type equals project. This is a list view, but we can also have other views. Such a table aboard view where I can actually move things from in progress completed on also Calendar view. Well, we could adjust the dates. I've got a template for new projects. New project. What This will show he's. It will show a section where I could enter the purpose and key results achieved on the project on related tasks on events. So this is a filtered table off the master database where we have tagged. It's this particular project. On the type is task poor habits or incurring task or event. Whereas if I have anything else related to this project, I've actually put this in the notes and resource section. So this. So this will include any other items that are related that are not a task event for a habit recurring toss. So this could include things such as articles, books, videos, websites, anything related to this project all in one place. Let's go to an example project list, and I'm going to bring up the end of quarantine party so I can relate my project as well to a parent project, a gold or a life area, as all these things are, items in my master database and I have a relation property to an item. A swell as any other related pages. So when working on a project going on a project page in motion, well, let me see everything I need to do to move it forward and winkle references and notes. My project list is something I should ideally be reviewing at least once a week, so we'll check each page, seeing whether there are any tasks I need to add. Update. Notion could be somewhere where you write down your goals and create action plans. In my notion, set up with any action plan I create for a goal, the tasks will start appearing in my do tasks lists when it's time to do them. Personal goals is the next level up from a project. If there is something I want achieved within a year. I define that as a project to make short. It is getting reviewed on a regular basis. If it is going to take over one year, then I define it as a goal. And personal goals are also a view of my master database. And here you can see they beacon be given a date and they could be tagged against another page, typically a life area such as finances or health and fitness. So I do have a goals template, and you'll see that my goals template is quite similar to the one I have for a project. This includes thinking about why the goal is important. Defining key results you want to achieve and then having a section for related tasks and events and also a section on related pages. And this is where I might put any projects that need doing in order to achieve my goal or where I would save any notes, Web pages or videos. Let's look at an example, Goals page on, Let's say, such as this one be able to do 10 pull ups. So when I opened a page, I could give a cover page get inspirational. So if I change to cover on, look on Splash, I can stay. Let's such for Jim. Yes, that's a good inspirational picture. A physician that you see muscles scrolling down. I would describe, you know why that gold wasn't sort of important to me. And here I would list my action plan. So what do I have to do in order to be able to do 10 pull ups? And if I open this stuff, actually, I want what? To make sure I reviewed us weekly. So I'm going to put a weekly attack onto this particular task. So in an action plan, we should have several tasks. So I think about my goal and actually one thing I might do would be to look for articles on it. So how do fill ups? And then now I can tag it against that particular goal as well as anything else I think might be relevant. Health and fitness, for example, with regards to type its website. And now when I go to be able to do 10 pull ups page open up, we can also see that I have a related page here as well. I can open the website here by clicking on the open link button next to the U. So a key advantage of doing your action plan like this in notion is that when you then go to your task list, then you will see in upcoming an undated tasks that I have signed up to the gym already there plan for tomorrow tied with my go and if I scroll down, do also bring in the habits and recurring tasks do. It's not appearing here, so I need to look at the filter. Why so in the filter we have three filter groups, but the habit that we added did not have a date. So I think we need to add a new filter group where the date is empty. So, for example, if I want to review in areas such as career on business, the page is meant to prompt me to think about vision. What is the ideal state of this life area? What do you want, then? Think about the goals you want to set projects. You might want to start what habits tribute be developing in this life area. And with the related pages I could bring in related notes videos for Web pages. This is about higher level long term planning where the life area, um, probably to set goals. Projects may arise from goals and tasks may arise from projects, So these life area pages are a way to take a good look at each part of your life. You can rate how happy wine each life area and perhaps uncover where certain areas need more attention than others, and it also helps you identify where you're doing well on where there is room for improvement, to discover what actions you could be taking on, what the gaps between where you are today and where you want to be. And then with notion and it's set up, you'll be able to link what you're doing day today. With way once be in these life areas, I'm now going to cover the pages in The Resource Is and Reference section. These pages, where I could get useful information are saved in an easy way. Most of these pages are views off my my main master database. That life success planner on this is so they can be taped and linked to other pages, such as projects, goals, topics or life areas. Their inbox or notes notion could be a great tool for all sorts of notes. You can store anything digital in notion with loyal notes in one place, so you can easily find them when you need to. Having everything in the same application lets you find what you're looking for. Quickly with the template button, I can make sure I can create a note quickly in notion this is a standard page, not a database page on. I can Get back to the previous page. By clicking on in boxing notes and bread crumbs, you can now see the note page under the template button. Another way I make sure I can enter notes quickly. Is that on my new tab or home page in my browser that there is a link to my inbox once the note is created. If it's something that's worth keeping, I might want to organize it in the right place. This is done by adding it to the life success plan. So here I have a previous note on a business CRM and project manager I'm starting to create on. We would drag it to the right to the life success planner, and then I can categorize type. It's a project and add any tax are associated with it, so linking it to any other pages. So I'm here linking it to the notion topic page. If it's a note that I don't need, I can just delete it. So when I'm on a Web page like Good reads for a book, I can use a Web clipper, put it into my life success planner open the page in notion and confirmed that its book and also tag it. If relevant, some of the content is saved within the page. But if we go back to the reading list, I'm also able to get to the Web page through the u. R L link. So when I'm in the mood for some new reading, I go to my reading list and I can pick one of the items I've intentionally added. My watch list works in a similar way to the reading list with views from the life success planner. When I've watched something, our market is complete and it disappears from the list. Here on this page, I have videos, channels and films. Videos are typically from YouTube and added through the notion. Web Clipper channels are links to video sections of a YouTube channel as thes channels will be updated with new videos. I know there were visiting from time to time. Then I have a list of films I'm interested in watching at some point. An advantage of having your watch list in the life success planner is that you can do tax, including are the people. So, for example, you may think that it's a good idea to what certain films together will share particular videos. With others, you can tag a person to a watch list item reminding you to reach out to that person with regards to that watch list item topics. Travel the travel pages for planning for places I'm going to visit and a record of places. I've been mainly for pleasure, but it could include planning for business Trips to the pages are items in a life success planner that have been tagged with the word travel. I've created a travel template. This includes travel check list, things I need to consider in preparation for a trip such as flights and accommodation. It's where I can save maps and ideas of what I want to do. And if I'm traveling with other people, I may end up sharing these pages and asking them to contribute their ideas. Next, we have CRM. CRM stands for customer relationship management. Businesses use CRM to track information about customers and sales. You may find a personal CRM useful if you believe there is value in having a system to keep in touch with people. This also helps you log and remember things about particular people. Attend to meet a lot of new people through my hobby of organizing events on this, therefore helps me create invite lists and also remember who have met.
