Hi, I'm yell and welcome to life planning and getting things done with notion. If you have not heard of notion, it's a productivity applications you can use for your personal life and work, you can use it for managing tasks. Help you organize your study projects, notes, hobbies and life goals. It's an application that I and thousands of others believe can help change your life. It's vastly more flexible, more feature rich on more satisfying to use than any other productivity tools I've come across. This course will take you through how you can use notion to help you in your personal life as a life planner on tool to get things done. I'm Yeah, I'm a solutions consultant in London, and I have over eight years experience in helping individuals and organizations achieve their goals and improve their work processes through technology. I'll be your instructor on this course. Over the years, I've tried many different productivity applications to manage both work projects on my personal life. APS such as Evernote Trail Oh, to do. It's asana. Google sheets Notion can replace all these APS. It's only when I discovered notion that I feel truly satisfied that it is a right tour for me as an all in one digital life planner. This course is for both those new to notion on those who use it already. 2. What is Notion: notion describes itself as an all in one workspace on the Web, an application where you can write, plan, collaborate and get organized. You can check out by going to the website. Notion. DOT s on notion is a very feature, rich and customizable productivity application. It can help you organize many areas of your life, including task management, project management, storing notes, meal planning, travel planning, saving details of books and Web pages. 3. Notion Pricing - Free for Personal Use: So how much does notion cost? Well, there's a free version and paid versions. The costs I'm going to summarize may, of course, be subject to change. Signing up to the free personal version should be enough to get started and for many people , all you will ever need. You get unlimited pages and blocks, and you can add up to five guests to collaborate on any pages in your workspace. You will need to upgrade to the personal pro version if what you want is to upload larger files have unlimited guests on also want the version history functionality. This lets you see any changes made to pages. There are also pricing plans for teams and business. These are relevant if you're using notion for team collaboration and include more permissions and security features.
4. Setting up your Notion Account: to use notion. First step is to sign up for an account you can sign up through the website www dot notion dot eso. The personal plan is free to sign up to on the notion home page. You can see that there is a sign up link here. You can sign up with your Google account. Otherwise, you can enter an email address. You'll be sent information by email on how to lock in in the email. You'll be given a temporary logging code and a verification link for you to continue your log in. After signing up, you can go to the notion home page on there will be a log in link on the top right in which you can enter your details to log in. Once you have logged in, you might want to set a password on the top left. There is a side bar where you find a settings and members link. If you click on this on goats in my account, this gives you an option to set a permanent password so that you don't have to use temporary log in codes. It's worth being mindful of information security when you're in notion depending on your browser settings. Notion should keep me logged in if you don't log out. If you're using a public computer was sharing your computer with other users. You should remember to log out when you finished. Log out, Click on your workspace name and here in the bottom and here at the bottom of the pop up, you will see the link to log out. There is also a desktop application you can download for Windows and Mac. The download link you can find on the home page of Notion. The desktop version is not much different in terms of what you see to signing in on the Web browser. However, notion on Web browser, such as With Crow, will only work if you have an Internet connection on the desktop application. One advantage is that you have some offline functionality, but it is limited. You won't be able to view every page that you have one notion on the images and files, but you will be able to see recent pages of Accessed and you will be able to create new pages. An advantage of using the Web browser version is at his is easier to access a link to specific pages. Each notion page has a unique website link, and I have used these links to create shortcuts to notion pages in my Google chrome. 5. Navigating around Notion: this video will go through what you see when you log into notion when you first log into notion and this is similar to what you should see. You have a main area where you can edit the page euro and you have a sidebar on the left which has links to your favorites workspaces, search and settings. We can hide or resize your tuba. Starting from the top left, you have work spaces. If you click here, this will display all your workspaces and give you an option of creating a new one. Workspaces are relevant if you are working in teams. For example, I am a guest member of a workspace called Notion Pros. You can have different permissions within a workspace. So here in this workspace, I'm actually not allowed to edit anything on the page. I can only view and you'll see if I change the workspace. I have different items showing up now in my sidebar on different content. You can create new workspaces for free, but you would find you have to upgrade the pricing plan for each workspace. If you find you need more block storage, simply select us. Create a work space tab. And then you can enter the team's basic info, such as a name, the Team Yaro, which is the website address and any allowed email. That means quick find, Let's see, search all pages within notion. For example, I know I have a page on Sweden as I went on the trip there recently, and when I do this, such get to results, it seems. Got a task for preparing for Sweden. 6. Pages in Notion: this video is about how pages work in motion. Everything in notion is stored in pages. I'm going to show you some example pages where you can see the rial variety of layout and content options you can have. This is my home page. I have it like this so that when I'm in notion, I can quickly get to a page that I want. This is one of my task pages. It's a database of you. Here are pages are created to help me create this course, the page can have content. The page can have a title, a Nikon, and to cover anything you type is automatically saved. If you are online, you can add discussion two pages, which is useful if you are using notion for teamwork. You've got page settings on the right, such as being able to share the page viewing updates. With templates, you can use a page that has already got content created by notion to give you a head start . If I hover over the top, you can see I can add an icon. Recover. When we click on Add Icon, you'll see there's a number off cute options. So as my page is going to be about computer games, I can type in game in the search and relevant images come up with your icon. We can also add a cover picture on your page like the icons. We can change it, upload your own or link to an image from the Web. You also have the option of using an image from unspool ash dot com. Another way to add a block is if you hover over a line, you see there's a plus button. This adds a new block and you choose to type. 8. Travel Plan Example Page: in this video, we're going to go through an example Page. I'm going to show you a travel plan. Example. This is for a real trip I'm going to be taking to Japan later this year. The reason I've chosen this as an example is that I'll be able to present the many things you can do with blocks. In notion, we look how we conform at texts and bed maps at a table and create Web bookmarks. This is my notion home page, where I've added a few links key pages in my life management system. I have a likeness so I can quickly access pages I frequently go to in notion he see I've got projects, tasks, another things to do with my life management, a section for work and a section for notes and lists. So these are pages within the Japan page, and I could go back to the Japan page by looking at the navigation at the top the breadcrumbs If I see an idea I like on the Web, I used the notion Web Clipper to save the page in notion. So let's say I like this page and I've installed notion Web Clipper in crime. I can click here, decide which page I would like to save this what page? Click save. And now when I go back to notion, you can see it's created a new page, and it saved a content in that page. How cool is that? There will be an upcoming video where I go through the notion Web Clipper in more detail. I hope that's acted as a good overview off. 9. Introducing the Notion web clipper: this video is about the notion Web Clipper. One feature available is to savor webpage to notion from your Web browser on your computer or phone. This doesn't just saved a link it saves or the contents off the Web page, including any images and video. You might find this useful because it lets see capture and organized Web pages within your personal management told really easily. It gives you a place to save Web articles or videos for later linked to a job you might want to apply to at a later stage. Save a recipe you might want to try. To get the notion Web Clipper, you can go to the chrome Web store, and when you install it, you should get on the top right of the browser, the option the saver page and choose exactly where to save it. You can save it as an item off a database or on the page off choosing. So, for example, let's say I come across this page and I'm interested in this book. So I want to remember Teoh by it. So what I can do is I can go to the notion website for here and then you can choose wherein notion to save this page to its already come up with the title that we can change on Dhere Weaken! 10. Sharing and Collaboration in Notion: this video is going to summarize the sharing and collaboration features and notion you may find these features useful if you're working in a team or want to shared space online with your partner, mental or friends. Pages and notion could be private, so only you can see the pages you create. However, you can have pages that our public so that anyone convicted them even if they don't have a notion account. Here is an example of a page I have made public on the top right. You will find the shelling here. You can make the page private of public, have it so that anyone can read it if they have the Web link or even be allowed to comment on the page if they have a notion account. Once you make a page public, you can send the link into your just bar toe other people or use the copy page link. You consent the page so that it is not found by search engines. If you want to make sure that only those that you share the page will be able to find it. If you want someone else to be able to edit your page so do more than just viewing your page. You need to invite them as a guest to the page. They would then have to sign up for a notion account, but it can be the free version. Here is a page I want to invite a friend as a guest so that they can edit the page I go to share, and then I click on Invite a person here. I can enter their email, address the invite button, and then they'll get a link with instructions on what to do next. And you can see I can give this guest full access to edit and share with them. People only be able to edit but not share with others to be able to comment. So be able to view comment but not at it or read only access. You can invite as many guests as you like to view and edit pages as you want. There are a few differences between guests of a page and members off your workspace. If you want members of your workspace, you will have to upgrade your notion account to a team account and there is a price pair. Use a member you can find details of all your members and guests if you click on settings and members in the sidebar. So here you can see I have one guest on one member myself. Guests can't be given what space white access. They must be invited to individual pages in order to view them on their sub pages. Members can have workspace white access. Add that comment, and you can see the comments appear here as a speech bubble, which you can expand to look what's inside any changes made to your pages. You'll confined here up on the right in updates if you follow the page. So this shows the history off all edits made on this page by myself or any other guests. So that's my summary off sharing and collaboration in motion. I used the features to share travel plans. Make details of an event public. You can use it to get organized with a partner or share progress of a mental lots of different ways. This could be useful. I'm aware of teams with nearly 100 people or using it together. 11. Dates and Reminders in Notion: this video will go through dates and reminder notification functionality in notion this could be useful. If you want to do a journal involving dates or receive alerts for tasks based on dates, you can create reminder notifications to draw your own attention to a certain page task or event. You can get these notifications on your desktop email or mobile within notion. If you're in the browser or desktop, go to settings and members. Then go to my notifications to toggle on or off notifications for both mobile or email. It seems. Actually, if you talk about on both mobile and email notifications, it will mean that you will not receive email notifications because mobile notifications take priority. So if you want email notifications, you've got to turn off mobile push notifications on any page or the title off a page. You can use the at syntax to create in line dates. For example, if I type that today in a title, you see many bowel comes up. Andi, I can select this and I can select today, and what will happen is that this text will automatically update when tomorrow comes. This would change to yesterday. It's based on the time I typed the date in. We can put in other dates in the past or future. If you click on a badge and read the notification in all updates within five minutes, the notification will be marked as red, and you won't receive any more notifications. If I wanted to add another meeting, I just click on the button again. I also use templates for daily planners and weekly reviews. I hope you find creative ways you can make templates. Buttons work for you, too.
13. Windows shortcuts for Notion: this video will go through, creating a short cut to quickly open notion on your computer. This works. If you are using a browser to log into notion rather than the desktop application, I'll be demonstrating how you can do that on Windows 10 and I'm using Google Chrome. The idea is you can have something in your Windows Task bar at the bottom, which will take you to the page you want in notion quickly. This technique actually works for any Web page you want to quickly open and Windows, actually. So here I am in Windows, and the idea is, if I click this, I couldn't task. It will quickly open notion to the page I want. In this case, disk is my task list. If I click it, it will open a Web browser and take me to my tasks database. So I'm going to show you how I did that. Let's say I want another shortcut here for my shopping list. Here is my shopping list, and what I have to do is bring crime is going to the top right to dissect ing's. 14. Introduction to Databases in Notion: this video will go through the different types of data bases in notion and how they might be useful. A database is an organized system that makes it easy to search, select and store information for personal use. Databases might be good for tracking your tasks and projects, creating a shopping, reading or films list, storing or categorizing notes, managing your contacts and business cards for teams. Databases could be useful for tracking Project's tasks and issues, mapping out a product roadmap or creating an editorial calendar. There are a number of ready made database templates that notion provides. When you create a new page and choose template, you can see a preview off the ones they provide and select. Use this template to add them to your workspace in notion. Databases are great when you want to see information in different views. When you create a database in notion, you can view the same data as a list table, board, calendar or gallery. You can group sort and feel to this information. Here is an example of the database that I use. This is for managing my tasks here. This is a board view on. What I've done is group tasks by status, and I can drag and drop items in a different status groups I've created. I can also fill toe items in database. If I click filter and a filter, I can say I only want to see items that are marked with the project glorious. I can also create new views. For example, I can see the same tasks as a calendar, which looks at the due dates I've given them. For each item in the database, there is a page. If we open the page, we can add further content, including comments. On this page, you can see there's an option to add a property. A property is used to hold different types of information regarding an item in a database. There are various types of properties you can choose from, which include text option, select dates, check boxes, vials and more. There are also more advanced options that let you customize your database further, like formulas, or relating your database to another database. I'm going to create a new property to indicate a task is very important for this property. I think the most appropriate type would be a cheque books, and now the option to click a check box will appear on every item in my task database. If I go back to my board, V, you will also find a link to properties in which I can choose whether or not a property appears, in my view.
15. Mass update and delete database entries: this video, we're going to look at how we can mass update or delete database entries in notion. Here is an example off a database in Table V. And let's say I want Teoh make a few more of these two priority P one. I can use the left mouse T to highlight and select a number of rows and then right click. And then it gives me the option to edit property. So in this case, I want to edit the priority. So a select priority and it presents me with the options available. So here I can choose P one and you can see everything I selected has turned to P one. You can use this functionality on other types of database visas. Well, such as a board for you. You simply Dragon select what you want to change, right click and it property. And this time I'm going to change due date. Have all of them on the first of June 2021 on. You can see that's updated. Also, when you have selective multiple records and right click, you do have the option to duplicate on delete as well
16. Meal Planner Database: we're now going to go through creating a database wagons creates a meal planning application. This application can help you eat more healthy by supporting you in deciding what to eat in advance. It could help save you money by making sure you know what rosaries you need to buy and therefore not buying things that will potentially go to waste. It could save you time by having you spending less time wondering about lost in the supermarket where that happens to me. So this is an application I actually spend a lot of time in because I like food. I'm going to show you what we will create. We are actually going to have three databases. One is a simple shopping list when we purchase an item weaken market as complete and it would disappear on the list. We don't have the meal plan a data base on the same page. Once I know I'm going to eat for a particular date, I can enter things into my shopping list in a meal planning database. I can put in what I plan to have for lunch or dinner. Extra columns could be added to if you wanted to include things such as breakfast or snacks . Once I know what to eat, I can enter things into my shopping list. These two properties here for the database are actually linking to another database called Recipes. I can choose a meal I already have in my recipes database or create a new one. Here's what you see when I click into my recipes database. I've got it in the gallery view so I could see great pictures of order meals I could potentially have. A great feature about the recipe database is that if I find a recipe on a Web page I like, I can add it to notion with the motion Web clipper quite easily. This is what it would look like in notion it brings in an image on some of the content on a link back to the original website. There's lots of ways you can customize your database. For example, if calories is important to you, it can help you see how much you've consumed in a day. So in these recipes I can put how many calories I think each one is, and it will add up the number of calories per day here. You can see that the calories column is actually a formula property, and it adds up to recipes I have for Monday. I have different views for my meal planner Thes V's. Let me see meal plans have done already to give me ideas. For example, if I should have a healthy week, I have a healthy meal plan to give me ideas. You'll find a link that you can use to clone my meal planning application in my templates document that you'll find in discourse in the next video, I'll go through how are created a three databases to create the application.
17. Creating the weekly meal planner: in this video, I'm going to go through creating the three data basis that will make up the mule planning application. So I've started a new page here in notion. Andi, I'm going to do an empty page. I'm going to start off by creating the table for my shopping list. So what type Slash table. And I want an end line table because I wanted table to appear on this page rather than the new page a title it a shopping list. So the first column will be the items I need to buy, such as water. And for now, I actually don't need these two columns, so I'm going to delete them next. Someone's at a new property, too. Indicate whether I've purchased that item. Will not. Here are the options I've got for property types, and I'm going to use a check box. I'm going to add a filter to this table so that when I actually tick, I've got potatoes or any other item on the shopping list. This will disappear from the list up here. I've got options with this table. I'm going to click filter and a filter, select the property, got it and if it's no take, I'm happy for it to appear on the list. So now I've done that. You can see that potatoes has been removed from the shopping list as well as having groceries on your list. You could use it to track other items you want to buy, but not yet. For example, if I wanted to buy a new laptop, I could add it here, and I could add a cost property to indicate how much I'm happy to spend. I'm now going to add a select property to the database. This will indicate whether an item on the shopping list is grocery or something. On my wish list, I condemn. Create two separate views, one for my groceries, one for my wish list. I do this by hovering over this area and adding a new V on. I'm also going to want a table and let's say I want to separate view for my wish list create. You'll see now that actually are three items because potatoes has not filtered out anymore . What we're going to do here is against create a filter again, full items that we haven't got yet, but also a filter for just wish list items. So one way we can create a filter, it's hover over the column that I want to create a filter on Click there, select and filter on. We want got. It is not checked that removes potatoes. Now, if we would just want wish list items, we do something similar here. Click on item type, click and filter. We see our existing filter there, but we also want item type equals wish list. And now you see only my laptop item remains. So this is my wish list view. If I select this drop down, I can go back to my default view. Let's rename default V to groceries. But clicking on the settings here and adding a filter on my groceries list, I might think that the cost is not important so I can hide this column. I don't have to delete it. I don't want to delete it because it's still needed in the wish list. However, I could hide it by clicking on this and selecting the hide option. So now I have two views to my shopping list groceries on wish list. The next thing we're going to do is create our recipes database. We're going to do this by creating a new page database as a gallery, the type in database and slash and I select gallery full page. Let's puts title Andi Delete the current item in a database. Here is where I'm going to store all my meals. Let's and an example. Click new. Let's create a meal. Roast chicken. We could actually use the tag properties to mark this meal for lunch or for dinner. We could add more information here as well, such as how to make race chicken the ingredients. For now, I'm just gonna and a picture slash image, and I'm going to add something from Splash. One tip I have is that you can add recipes that you find on the Web page that you like intonation for dude notion. Web Clipper. When I click on a nation led Clipper, I can say I want to add it to my recipes database saved the page, and then the recipe should appear, with notion downloading the picture from the Web automatically with the Web link to the original Web page on some content. When I went to create 1/3 database in our meal planning application, and this is the weekly meal planner. To do this, we're on our page where we have the shopping list and we have our link to the recipes database. We're now going to create another table, and we're going to do it as an in line table, and we go is called a weekly meal. Kanneh in the name column. We're going to put the days of the week. We're then going to delete the existing properties in the table. Now let's create two columns, one for lunch, one for dinner on These are going to be properties that are a relation to the recipes database. I click on this new column. Andi, the property type. I'm going to select relation, So here you can see a relation allows you to link pages from other data basis. So we want to link to the recipes database. So let's really in the columns on going to rename this lunch. What you can do now is then fill this column. We have items in your recipes database, or you can create a new recipe. So, for example, if I am having roast chicken for lunch, which I entered previously into recipes I could hear Start talking in rice chicken and I can see simply add it. Click away and we've got it for lunch. If I want to add something that's not in the recipe database, like for Tuesday lunch, want vegetable pizza? I can click here, start typing in vegetable pizza, and then it gives me an option to create a new page in recipes. I'm going to do that, and now you can see I've got a vegetable pizza. If I click into one of these, it will take me into the item in the recipes database. The recipes databases here. It's a gallery view. You can see we've added vegetable pizza and we can add a picture if we want to. Back in the weekly meal planner, we can add enough color for dinner. It's skin a relation type. Select Recipes database renamed The Column. The neocon start adding recipes here as well. I conclude it. I can include options for restaurants and dining out in the recipes database as well. This weekly meal planner could also be useful if you are counting calories, for example, on roast chicken. If I click into the recipe, I can add a property regarding how many calories this meal is going to be. It's going to be a number property, and I'm going to put 700 as a guess. Let's say my next meal is 800 calories. The properties already there, and I could rename that calories on this table. What we want to do is showed the daily calories in a column. We do this by first creating columns to look at how many calories are having for lunch and dinner. We need the role of property. To do this. Let's rename this calories lunch configure. Roll up, select an existing relation lunch and choose the property calories and calculate the some. So it seems we bought so you can see there's 700 calories here based on what we had for lunch. Roast chicken. Let's do the same for dinner. Roll up calories, dinner configure, roll up dinner and calories. Andi. So now that we've created these to roll ups, we want to add these two columns together because that's going to give us the calories of the day. I'm going to create a new property, and this time we're going to choose Formula Field renamed their Staley calories. Configure the formula and we're going to say we're looking at calories. Lunch plus calories, dinner done. Now you can see that this column adds up what we had for lunch and dinner. We don't really need to show these two columns so we can hide them rather than deleting them. And now we have weekly meal planner that shows lunch dinner on daily calories. I hope you can see how you can customize this further if you want. If you want, you could add snacks or breakfast. You could also correct more views for the database. You can clone my version of the database by finding a link in the templates document that's provided of the course.
18. Creating a life productivity system: In this section, we will
go through how you can create your own life
productivity system. Let's go through what I mean by creating a life
productivity system. And the benefits of doing sir, life productivity
system is about having a clear and successful way
of managing the tasks, notes, projects, and life goals. It should be an approach
that helps you to be productive on the
most important things. You should be spending time on. The benefits of having a working life
productivity system should help you focus on things
that should be priority. It should make you
less likely to forget important things
you'd have to do. It should keep you organized. Helping you to
quickly save and find any project topic or personal information
when you need it. And when you're dealing
with lots of demands, you can do it in a way
that is more stress-free. Doing work may become less frustrating and more satisfying. It should also support
your personal development. A productivity system
can help you plan any learning you want to
do inline with your goals. The system isn't all about
just using technology. Technologies like
Notion can help. But the idea of a life
productivity system is to find a consistent and
flexible approach for dealing with everything you
want to and have to do. Some people find that
non-digital systems, like paper journals and
whiteboards are working for them. Some people rely completely on technology applications
like Notion. It could mean using more
than one application. Personally, I use both
a paper-based journal and notion as part of my
life productivity system. However, I found that
just using a journal for me was not enough in managing
everything in my life. And that is when notion is
a key part of my system. In this section, I will present my productivity
system and died you on the things you should
consider when creating yours. In designing my
productivity system, I've taken ideas from popular best practices
that work for many people. This includes
getting things done, a popular and adaptable based
productivity methodology. In Getting Things Done, it
recommends you have defined steps on processing ideas,
thoughts, and tasks. I've also taken ideas from
the bullet journaling method, which is one approach
that can be both paper-based or digital and offers a flexible way of
managing everything important in your life in one journal that many people find
very satisfying. When you start creating your own life
productivity system, you can take my ideas
and those of others and adapt them to find an
approach that works for you. This section, we'll show
you how you can create a productivity
system using Notion. My productivity system will
be particularly useful for people who use computers in their work and life quite a bit. People such as
knowledge workers, entrepreneurs, and
ambitious students. However, even if the
foundation is not for you, these videos should still be of interest for anyone who thinks that they can design their life intentionally to
achieve their goals. Achieving personal goals
is ultimately what's a productivity system is
designed to help you with.
19. The Life Success Planner Template: In this video, I'll
give you a tour of my own personal life
productivity system and how I engage with it. It will give you ideas
on how you can design your own life
productivity system and practically use Notion. Notion. I created a template called
the life success planner. This is an all in
one task, project, knowledge management and personal development
application. It is a template. You can duplicate, customize, and add your own Notion setup. You will find a link to my notion life success
planet template in the course resources. I've designed the life
success planet template. It'd be suitable to be
adapted and used for most people who need some
manage a busy to-do list. It's a template that
is helping me focus on my priorities and
get things done. I find it makes capturing, organizing and finding
information easy and enjoyable. My life success plan
and template is both a planning tool and
something that you can use. Food daily tasks and notes. Stand people have different ways that they'd like to
organize things. Your goals, responsibilities,
and preferences may mean that perhaps you want a different or more simpler,
more complex system. However, you can
easily customize both notion and my template
to suit your needs. Here is a copy of
my life homepage. It's a central place for me to access things I need to do. My notes and lists
on my homepage. I've added some key links to pages and web links
I use the most. You'll see I have
four main sections. Do add to inbox, quick links and
resources and reference. Do our pages about items that require action or that I
need to review regularly. Add to inboxes where
I can quickly add a new task, project or notes. Quick links is four pages
of web links or needs. Visit frequently. Resources and reference
our pages where I can get two useful information
I've saved quickly. Scrolling down, I have added
sections that I think are relevant when I want to
review my day or work. This includes Do tasks
which I can mark as done, habits which I wanted to
develop and recurring tasks. For example, clean
house of Marx's day. If I update the date today, then it disappears from
the list until tomorrow. Then I've got projects
I'm currently working on. And people I should be
keeping in touch with. My Notion homepage is like
a dynamic life dashboard. The tables, unless you
see on my homepage, are all filtered views of a master database
called my inbox. My inbox database
is a key part of my life success
planner template. This is where all my
tasks, projects, notes, and the other information
are captured and stored. Having information in a database means I can define
Page Properties. Properties such as the type of information, date, and tags. Once properties
have been defined, I'm able to create filtered
views of a database. For example, if I
go to do tasks, the filter, you can see I have defined a
property equal to W1, and that's not ticked. We want information where
the type is a task and also where the light is on or before today or the date is empty. Many of the links on my
homepage too will take you to Notion pages where you'll find more views of the
inbox database. If I go to the reading list. Here I have articles to read. The pages that are
showing those that are type equals article and
w1 equals not ticked, which means I haven't
read the article yet. Instead of having
everything in one database, you could create
multiple databases to store different
types of information. For example, you can have a
separate database for tasks, projects, and notes
and relate them. You'll then be able to define different properties with these different types of information. However, the main reason I
have one database to store Nearly Everything is to keep things simple
and easy to use. I find I don't need
many properties for the different types of
information I enter. Lets me have one inbox
where it's clear where information should be
saved and organized. On my homepage, I have an
add to inbox section with a button that automatically creates an inbox database page. This is a gallery view
of my impulse database where I have a filter
of name equals empty, and type equals task. When I click on the button, I can quickly capture any idea, task or any other information. I can categorize it by updating the type the type property, the type of update lets me link related information and
pages in a flexible way. I can link a task
to a project or another task or to a live area. You can see the task I just
added by gift for Zoe is now I might do tasks
table like a set of date. And it's disappeared
because it's not D. Using tags. I could also relate an article or
a notes or project, topic or life area. We can link any page in the inbox database
with another page. In my life success
planner template. I've always say created database page templates for all the different
types of information. If I have a new project, like learning German,
date the type to project, and I select the
template new project. Here you can see that content
is automatically generated. This includes adding and seeing project tasks and related pages. Any task or page tagged with the project learned
German will appear here. I created this by using a self-referential tag filter on the template on the new
project template page. If we look at the template, you can see on the filter
photometers and events. I filtered for tags
containing new project. We can have everything associated with a
project all on one page, which makes it really easy
when you want to plan, manage, and welcome to project. All of this functionality can be particularly useful to help you plan and review how
you're going to achieve long-term
goals and projects. For example, in the
life success planner, we have dedicated pages for each life area that might
be important to you, such as your career or health. When reviewing a life area, you can add and review
related projects, goals, habits, and tasks all
on the life Area page. On any goal of project page, you can add or review any
tagged tasks and notes. The life success
planner template helps you with
breaking down what are the specific actions
that needs to be done to achieve what you want? The tasks that you enter
on a doled page will start appearing on your
upcoming or do task lists. You will task lists start becoming more relevant
and focused on achieving your
long-term outcomes you've identified as a priority. The system therefore prompts
you to be intentionally focused on doing
what's important. Notion is also where
I keep all my notes. You can relate notes to topics. So on a topic page, you can see everything related
to that topic tagged here. We can also save
information from websites and target to a topic. Here, for example, I
have a notion video, and if I use the notion
web clipper and grant, I can add it to my inbox. When I open it in Notion. I can tag this as a video
related to the notion topic. Now it will appear on
my Notion topic page. Having your notes
and Notion can help in developing a resource center or a learning plan for topics that are of
interest to you. As you add more content, it starts becoming a personal knowledge
management system.
20. Life Vision and Areas: Life vision and areas. I'm a believer that you are
more likely to succeed in achieving what you want
with having a clear vision. This is both in work
and your personal life. The idea is that
when you become more clearer in identifying
what you want, then you become clearer
on what you need to do in order to reach your ideal place. There might be one
important thing you want to dedicate
your life to, above all else, life purpose. There may be a number
of different areas in life that are
important to you, or areas of life that support the one most important
thing to you. Being productive is not about just being more efficient
or staying busy. Your life productivity
system should be about achieving what you want
in life. Taking time. Think about the life
vision needs to be done. Some questions you can
ask yourself that might help you in writing a
life vision include, what really matters
to you in life. What would you like
to have more of? What are your secret
passions and dreams? What would bring more
joy to your life? What are your values
and principles? Who are the people most
important in your life? What issues do you care about? What are your talents? What would you like to
accomplish in your life? What legacy would you
like to leave behind? You might find it valuable
to keep a page in Notion to remind yourself of the
life you want to create. Once you have done some
pondering about your life, you may find there
are a number of life areas that are
important to you. Identifying life areas
that are important to you. And having this written down can help you
in defining goals, getting life balance, and
making plans on what you need to do to get to where
you want and taking action. Life areas can include health, career, family, and finance. Life areas are ongoing
things in your life that are worth reviewing on a
regular and ongoing basis. Let's have a look at
life areas in Notion. Here we are in a
life success plan, a template in motion, which is based on my own personal life
productivity system. Life areas has its own page, and this is a good place to start with using the
life success planner. Here you can see I have
a dedicated page for life areas and we have a number of pages
including health, career learning, positive
impact on charity finances. This is a gallery view of
the my inbox database. It's filtered by pages are
type equals Life area. And the gallery view I think, is a nice and visual
way of displaying them. Life areas do not have
a specific deadline. Unlike projects and
tasks they are ongoing. For example, run a marathon would be an example
of a project. The Marfan would have a
specific date and may have related tasks and habits
you'd want to plan for. Project or task may be
relevant to a life Area. Health and Fitness could be the related life area
to running a marathon. Although if running is an ongoing important
part of your life, you may want to have
it as a life area. You can add our life areas
using this new button. This page is added
into the inbox. I have a template
for a new life area. It should help you consider
where you want to be in this particular life area and
taking action in this area. Each area has its own page as an item in my inbox database. This is so that we can link a life area of page
to other pages, such as projects and tasks. Let's have a look at
another life Area page, health and fitness. To see examples
of related pages. I'm going to click back. Here I am and my life areas page and now there's a running one. We could change
that image later. Let's go to health and fitness. This page we can add content such as division
for this life area. This page is labeled
as a life area type. The properties, some of these other properties
are not as relevant and don't have to be completed. On this page, I have created
two linked databases. Here. I have a my inbox gallery V, filtered for name is empty. And also another filter of type contains
Health and Fitness, which is this page. And this button lets me quickly create a
new related page. Let's say I have a new health and fitness project
running a marathon, run a marathon. Click away. And now it's added
as a related page. Here you can see it. Here. These related pages, you can see there are different types. You can have goals,
projects, habits, tasks. This is also a view of
the my inbox database. It's filtered with a
self-referential tack. So here, the tag contains
health and fitness. If we go into any of
these like the skull, you'll see that it's been typed on the health
and fitness area. When you are reviewing
this slide area, if you find there
are actions you need to do to move you forward. You can enter some
projects and goals. You may also want to think, are there certain habits
you want to develop? These can also be
entered here as well. You could also enter
any related notes, websites, videos,
and references. When you add any
websites and videos, they would also appear in
your reading and watch lists. I hope you can see
that notion can be a very useful life
planning tool. It gets some ideas
from checking out the example Life area pages in the life success
plan, a template. You might want to
set aside some time, monthly or quarterly, review
your life area pages, new projects and
tasks to move you towards where you
want to be in life could come out of
doing this and wanting to improve on one of
these life areas. I've designed it so
that you can go through them and it will
help you think about where you are at
with your life and then develop a plan
to get what you want.
21. Life Goals: In this video, we
will look at the idea of setting life goals and
having them in the ocean. I defined a lifetime
as a statement of an ideal outcome you would like to make happen
in your life. For example, be
fluent in Spanish, become a millionaire by 45, get a new job by the end of
the year, find a girlfriend. When determining your life
goals and their priority, you will want to consider how linked it is to
your life purpose. The positive impact it
will have in your life. Learning and experience
you will get from working on the goal
regardless of the outcome, the enjoyment you will
get from the journey. Once considered,
wherever your life goals are exciting, challenging, and life-changing,
achieve their life goals. There'll be actions you
need to take and you ideally want to know when you want to
achieve your goal by, I believe you will
find it useful to have a life goals written
down and have a system for reviewing
them to make sure you are taking action
towards the achievement. It might help you to
describe your goals in more detail using
the smart method. If you've not heard
of smart goals, this is considering writing them in a way that is specific, measurable, attainable,
relevant, and time-bound. Smart goals can give you
the detailed to make it clearer what you have to do
in order to achieve a goal. Just having a goal such as I wanted to be a millionaire might not make it easy for you to think about what you
need to do next. Make the goal a
bit more smarter. You want to describe
that gold further. For example, have
a million pounds in the bank by 50 is selling valuable online courses and smart investing would
be a smart goal. This makes it a lot
clearer to identify the next steps you need
to take to achievement. If you are finding it
difficult to describe all your goals in a smart
way initially, that's okay. You can develop them over time. What I think is more important in goal-setting is
that your statements direct you towards heading into a positive direction to where
you want to be in life. Once you've set your goals, it can help you thinking about the tasks, projects, habits, systems, people, and resources needed to
achieve your outcome. Notion can help you with capturing your
goals in one place. If you don't think about and
write down your life goals, you risk not taking
action on them. Here we are in the life
success planner template which you can adapt
what works for you. You can see that I have a dedicated page
for personal goals. Now in Notion, I capture
those in my inbox database, the same database on keeping
most pages in Notion. And we have a type property. As you can see, this linked database is filtered for pages
were type equals gold, and also the done
box is not ticked. These goals are also
sorted by date. The date represents
when I went to achieve the goal by
you want to make sure that you're covering what
you want to achieve in both the short-term
and long-term. This may include what you
want to achieve then a month, a year, five or ten
years from now. This is a list you
might want to look at and review on a regular basis. You can see that
there's a tag property. You can target with any
other page in my inbox, such as a life area. Further down the page
I have another table, another link database
on the my inbox. This is a slightly
different filtered v, which again shows
type equals goal, but this time with
the box ticked. So for example, if I have
achieved this goal and be able to do ten pull-ups
and I take it in my goals. Then it's removed
from this table, but it does go into the
completed goals table. It can be nice to look
down the list and see what you've achieved
over a given time period. Let's create a new example. Go eat healthier meals. Go here, click New. Now in the drop-down, I've got my inbox
database templates is actually one new goal. I could just click New. If I just click New, then it starts a blank page. And let's make this bigger. Let's give our
goal page a title. Eat healthier. Not a smart goal at the moment, but it's a good start. And we can also use the
new gold template here. Now, what this will do, it will pre-populate content that might be useful when
thinking about my goals. So here I can add details. I can also add related pages. If I wanted to add
a related project, I could use this new button. Let's say I want to do
a monthly meal planner. I can select project
as my template. I can say that tool, I wanted to do this by
the end of the month. The project itself also has
a template. Once it's added. You can see it's there in the related pages of
my eat healthier goal. Can also relate This eat
healthier ago to a life area. By adding it as a tag. You can see life areas, goals, projects can all
be related to each other. In Notion. Notion gives you one
place to list them, make updates, and relate
them to other pages.
22. Tasks: In this video, wagons go through task management in nation. Having one place track
all your tasks and being organized means you're less likely to forget
to do something. Tasks are specific actions that need doing that
may have a deadline. Keeping a digital Cloud-based
to-do list, like in Notion, means you can see an ad toss
and computer tablets or mobile notion and my
life success template, it's possible to link with us project's goals or life areas. There are many
digital apps that can help you manage a to do list. Notion is not a
dedicated task manager. As such, you may not
have certain features that dedicated task managers
have out-of-the-box. This includes
functionalities such as e-mail into
your task manager, AI software to schedule due dates and ready
to use integrations. However, more functionality is becoming possible and there is the potential to integrate notion with other applications. Now, benefits of using Notion over many
other digital apps is that you can have
more ability to customize your task manager
to what works for you. Your task system can be simple or more
complex and powerful. For me, the benefits of having tasks in Notion outweigh
the limitations. Like how in Notion I can create customized views on my tasks, including on project pages. Also how they are
easily linked to the project's goals
and life areas. So that when I'm reviewing
things on a higher level, important actions can be
captured and prioritized. There are also powerful
collaboration features. If you're working in a team, Let's have a look at
my task management in the life success plan template uses the database
functionality in Notion. We've tasks, catch it
in my inbox database. Here is a task page
where I've created customized views of the
inbox filtering for tasks. In this table view, you can see I have put a
filter of typing those task. The task is not done. And there's a group
state filter where it's either data is on or before
today or the date is empty. So if we take a task is done, it will disappear from
this dick tasks tableView, we can have additional
views of tasks as well. If I scroll down, I've added another one on the
page, upcoming tasks. There's only one here. And you can see the
filter I have here is that the type is task, but the date is after today and the bumblebees
is not ticked. You can add a reminder for a mobile or e-mail
alert if you want to. If I click on a date, you can see I have several options for when
I get the reminder. Selecting one of them. You'll see there's a clock icon to show that that
task has a reminder. As we can have that
view on multiple pages, I also have the two
tasks on my homepage. I've also created
an inbox button. This is a gallery V, where I filtered for name equals empty and
type equals task. So that other quickly add a
task by clicking on a button. And here in the Properties, I can give it a date and target
to any project like area. If I wanted to. I could use a toss template. Here I've got subtasks. I can add, will say I've
added a timer for my tasks. This is from Palmer focus, which recommends focused time
for tasks of 25 minutes. Let's tie this
task to a project. Here there is a
property called tags, and this is a relation property where I've linked to
inbox database to itself. This means I can
relate any page in the inbox Beta base width and other such as another
task project, personal goal or life area. I have a learning
Spanish project. Type that then I go sue
the learning Spanish page. I will see that particular task. The project. Having all tasks in a database means we can create
different views. Here in this project. We can have a calendar view. This calendar view, I can see here there's
one of node date. If we click on it, it gets
added to the Canada as today. And we can drag and drop
it to another date. Let's create another view, a board F0 v Board Create. Now we need to do some
filtering. To filter. Type is task. And we're also going to filter. The tag contains
learning Spanish. You can now see that actually
the tasks of group BY type. But maybe we don't want that. Maybe we want it
to groupby status. Here. We've got the option
of selecting Group. And instead of type, let's group it by status. Now you can see we
have some tasks. We can hide certain groups if
we don't want to see them. So if I click Hide
on this no status, it will disappear
here on the right. It's hard waiting as well. We don't use that. Then we can drag and drop
tasks between the steatosis. Here I'm using a
status property. Mark what the situation
is with that task. This is an alternative
to marking a tasks just as done through
the done checkbox. You might find this more useful if you have
shared team tasks, we're tracking status such as whether a task has been started. Who is waiting on a team
member is important. For simple task management. I prefer the checkbox
method and this TableView as it's
just one simple click to mark something as completed. In summary, nation is a
workspace which you can really personalized and manage
tasks how you want. This makes it, in my opinion, much more useful than other
dedicated task managers. I'm sure if you give it a try, you'll start finding it to be the ultimate tool to
help you get organized.
23. Projects: In this video, I'll
show you how you can use Notion to manage
your projects. I define a project as
something that needs to be done that has a number of
actions and has an end date. For example, running a marathon, building a website,
a dissertation, an exam revision plan. There will always be
more than one task that needs to be done in order
to complete the project. Most of the time, many tasks, projects can be big or small. They can be personal projects
or work projects involve multiple people and they can have different urgency
and importance. There may be planning
prioritization, reminders, reviews, and collaboration that
might be required if a project is to be a success. That's why we may want
to track actions and regularly reviewed a project
using a tool such as nation. We want to be keeping a list of our projects and have a
system of reviewing them so that you can make sure your priority projects
get done as planned. You also want to have an idea of the relative importance
of each of your projects. If you have too many
current projects going on at one time and may distract you from the most important things
you should be doing. It can be confusing when
thinking about what's the difference between a
life goal and the project, people do have
different definitions. What I find useful is defining
my life goals in my system as more of a statement of a
higher level desired outcome. For example, be a millionaire
by the time I'm 50. Projects are defined
as something that I went to plan,
manage, and review. For example, as I think about my goat on how I'm going
to get all that money. I might think of a project
I might want to do, for example, create a new nation Project
Management course. I would therefore have
a project in my system called Mission Project
Management course. This is the page which I
will be using to manage tasks and other
project information. I would have separate list
for my life goals and projects taking time
to review them both. You can see in this
example project lists that these are items in
my inbox database. Again, the same database on
keeping most pages in Notion. We have a filter on
this database table. Type equals project. And status is not complete. This status property, I have full possible
different values for now, not started in progress,
completed and waiting. Anything I update as completed will disappear
from the list. And down here I've got another database
view table that I've created where I have all
my completed projects. Your project list is something
that you want to look at and review on
a regular basis. The key advantage of
using Notion for projects is you can create
different database views. Let's have a look
at the board view. Scroll up and in this drop
down where it says table, I'm going to click on board. And now you can see the
projects grouped by status. In this fee, I can
easily drag and drop projects between statuses. Let's create another database v. Let's have a look at what
timeline looks like. Again, go to the drop-down and this time I'm going to add a v. And I can select
one of six views. I went to click on timeline, which is quite
good for projects. And click Create. Sorry, this is a view
of my inbox database. I want to make sure that the filter I have
only shows projects. 17's add a filter. I'm looking for page
types of project. Now it's going against
the show projects. If I went to see only those, that current and not completed, I would select status
is not completed. Then we see only a
few projects remain. We can do some resizing. Here. We can adjust the dates on this, gets a job as soon as possible. I can extend the date here. We'll move it around. This will automatically
update the date property. It's not showing at the moment. But if I go into Properties, I can have that showing. I can display properties and reorder how
they are displayed. A timeline view. I can click the Expand button to
open this as a page. Click the arrows to
get to the dates. A great view to update dates. Let's have a look at
our project page. To learning Spanish. As you can see, it's some
way way you can keep notes, tasks, and files. Any related tasks appear
here in this database. This is showing all the tasks
and recurring tasks that are tied with this
project learning Spanish. And any other pages typed will appear here in the
project related pages. You can see it's all pages
typed as learning Spanish, but not tasks or habits
are recurring tasks. Let's go through the process
of adding a new project. One way we can do this is
for this new page button. I'm going to call the
project marathon run. You can see up here
that we already have this page to be
added to my inbox. It's already populated
because it's the last thing I added was
all sites in my inbox. I'm going to click on the
new project template here. So content already added. That will help me
manage this project. I can create tasks like
an ad to resources. The hidden properties
I've got somewhere where I can put a website address. I could also add resources
via the Chrome extension. Here I'm in Chrome
and let's say I wanted to add this video. I can click on the
Chrome extension. When you've selected my inbox, you can save the page. And if I click Open in Notion is the web version I can target. As Marfan run. Can select the type as video. You can see it's saved the video link as well
as embedding the video. And when I go back to my
desktop version of nation, you will see that it
has saved the video under the Marfan
Ron project page, project related pages
because it's been tagged. You can also see a link
to the actual video. Remember if your projects, you can type them
on the leaf area or if it's a project you are going to be
working on quite a bit. You can favorite the project
using the Stop button. And what that means is it
will appear in the sidebar. For easy access if you're
working with others on the project notion has collaboration features
that can help the team to, you can use the share button
to give someone access. And you'll be able to
choose the level of access, whether it's full access at the same commenting or viewing. The commenting functionality in Notion is particularly useful if you want to get
updates from his team. As you can see from
this project example. I hope that's given
you a good overview of project management in Notion. I've tried to create
a system where he can have all related
information about the project accessed all on one page and to manage
it customized list. The great thing about Notion
is that you can adapt the life success
planner I provide or create your own system,
templates and views. You have much more
freedom to customize how your work compared to other
project management solutions. This makes notion much
more of a joy to use.
24. Habits and recurring tasks: In this video, we
will be exploring habits and recurring
tasks in Notion, developing good habits
and not doing bad habits can be a major aspect in achieving your
longer-term goals. In particular, when you're reviewing your life
areas and goals, you may identify good
habits you want to develop. Notion can help with
this by reminding you of the commitments you made
and tracking your progress, as well as habits you may have other recurring tasks you
want to keep track of. There may be something that you wanted to make sure you are doing on a weekly
or monthly basis. You may want to wait to manage these tasks as part of
your productivity system. Let's look at ways you can track habits or recurring
tasks in Notion, there's not just one
way you can do this. And you would choose the approach that
works best for you. If you go to the official
notion template gallery, you search for habit. You actually see that
you've got a number of different templates
that you can explore. With regards to habit tracking. You can duplicate and
customize any template here. The way I track my habits and recurring tasks is an approach that lets me link them to my life areas,
goals and projects. On my life having page I have a habits and
recurring tasks page, but also a database view on
habits and recurring tasks. This is a V of my inbox with the filter type is habit
or recurring task. And I have daily, weekly, or monthly tags indicate the frequency of the
habit or recurring task. What I want displaying on this
table is what tasks are D, the Date filters for
the daily frequency. I have datas on or before yesterday for
weekly one week ago and monthly one month ago. If we go to our
table and let's take the example of recording
a video every week. And let's say the last
time I recorded a video, this state property
represents that. It says 27th of
December, wearing 2022. Now, if I update this today, it would disappear from the list and it will
reappear again. When I have not recorded
the video within a week. With regards to the clean house, if the last time I did
that was Saturday, date, property is updated
but it's not going to disappear because
it's a daily tag. If I mark it as done today, then it will say
disappear from the list. So all my dedicated page of
habits or recurring tasks, I have the same view here, but also I've got
all my habits and recurring tasks. In the filter. You will see there isn't any filter for dates
or frequency tag. I liked this approach
to handling habits and tasks because you can tag your pages two projects
in life areas. The approach I take, however, does not allow you
to track how many times you have done a task
or habit in the past. If this is important to you, then I recommend
that you look at either other templates on
a notion template gallery, or creating a task page for
each recurrence of a task. There isn't a way with the standard
functionality to quickly create multiple pages
at once with Notion. For example, specifying
that a goto, the gym task, occurs
every Sunday. If you do prefer having separate pages for each
recurrence of a task, then I recommend that you use the duplicate page function and update the date property
to create multiple pages. Creating multiple pages is
also possible if you use the notion API and an integration solution such
as integrity mat or Zapier. However, setting this up does take quite a bit of work and you'll need a separate account with an integration solution. If you're interested in
finding out more about this, I recommend looking on
YouTube for examples. However, I always prefer more simple and lean solution
if it works for you. I find my approach in the
life success planner gives me a system where I
get a good reminder when I should be looking at
a habit or recurring task. My habits are
recurring task V is a useful table to look at as part of a weekly
or monthly review. I hope this helps with your plans on setting
and developing habits, which I think are really key in achieving what you want if
you have ambitious goals.
25. Notes: This video will go
through how you can use Notion for taking an
organizing your notes. I hope you will
see that it can be a great application to help
you with capturing ideas, saving information,
research, and studying. Notion can help you create a personal or team knowledge
management system. With a knowledge
management system, you will have a
method of capturing an organizing information in a way that will be easy to
access when you need it. This will help you with managing information for your project's
goals and life in general. Notion can be a great
tool to capture all sorts of notes or
digital information. This includes meeting
notes, project ideas, journaling, travel
plans, and e-mails. You can store
anything digital in Notion or your
notes in one place. So you can easily find
them when you need to. As your notes will be online, you don't have to
be worried about losing them, like paper. Having everything in
the same application lets you find what you're
looking for quickly. You can use the Quick find
on the sidebar to retrieve any notes in the system you
have previously entered. For example, I have
a trip to Japan. I can just simply type in Japan. Then you can see
there are results in the quick fine tool. The content blocks and pages of many different options
beyond just typing text. You can also embed videos
or audio in your pages, upload files, or embed
Google documents. You can easily share notes, say multiple people
can review or contribute to the same
page or notebook. Main advantage it has over other note-taking
applications is that you can structure your
workspace, how you like it. There is a lot of flexibility in how you can organize your notes. You can organize your notes in a page structure hierarchy
that makes sense to you. This can be done by putting note pages within a
project or topic page. You can have pages
and pages to arrange a structure and there's no
limitations to the hierarchy. Like some other note
applications such as ebonite. Let me demonstrate how I
typically take notes in Notion. And this is using my life
success planner template. We make use of the database
functionality once again, which lets you categorize tag or linker page to add the pages. Tagging a page can be particularly
useful as you can link related notes to each
other in a flexible way. To capture a note, I can use a new page button, give it a title, and start typing in
the content area. Using the text property here, I can type this page to any other page in
my inbox database, such as a project, a topic, or a task it might
notice about Notion. I can just type in Notion, can see that it is a topic. Therefore, if I go
to the notion page, we will find a new note there. On my life, I'm Paige, I have a link to topics. Here. Again, topics are all items
in my inbox database. I can see I have a page on
Notion typing those topic. And we can see that the
note that we created notion forms is in
the related pages. This keeps your notes organized as we will find
them within topics. Within a topic page. We can also create notes from here where you can see I've added a gallery
view button. The filter name equals
empty and tag contains notion that when I create a new note will
automatically be typed as Notion. And you'll find it
in my related pages. I have created a
template for new topics. If I go to new page, you can see one of the
template options is new topic. When I select that and
have a look at a page, you will see that it's
pre-populated with two linked databases
linked to my inbox, one for adding related pages, and one to show
all related pages. These database views have
self-referential filters. And what that means
that the filter already contains conditions to
show related typed pages. If I have a topic
called swimming, you will see the filter
has automatically change to tags
containing swimming. When you have all the
information you keeping nation organized in a way
that works for you. It's like having an extension
to your brain or memory. Anything you need
to remember is in your knowledge management
system notion. It can help you with planning any learning you want
to do on any topic. I believe you can develop a better understanding
of any topic. Having all your
relates notes and everything about that
topic in one place. As you start using
Notion more for your notes as an inbox
for anything digital, you'll see that it becomes an evermore valuable resource to you in leveling up your life.
26. Weekly Reviews: in this video, I'll take you through the process off how you can use motion to do your weekly reviews or journals for your life. This is about both looking back over the previous week for reflecting on looking forward to the next time period for planning. And while this video is going to focus on weekly reviews, some of the principles here are also relevant for other time periods like daily, monthly or annual. I'm focusing on a weekly review as it's something a lot of productivity experts recommend as being important. It will involve looking at how your projects are doing, getting things out of your head on into your system and preparing for the week ahead. If you're also doing daily reviews, your focus will be on more short term aspect, such as today's tasks and schedule for monthly or annual reviews. The focus would be much more longer term projects and goals, so reviews or journals could be useful for personal development that can help you stay focused and organized. They can be a key component of your life management system to ensure your tasks and projects you've written down our acted on and there are different ways you can do your view approach. All present is looking back over the previous week. What did you achieve? Are there any lessons that you can take on what went well, what could have been done better and what you're grateful for? And then looking forward to reveal in the next week, looking at what you're current projects, goes and tasks our priority. And what are the actions you have to schedule? The key benefit of using notion to do your weekly reviews ahead of paper and other applications is being able to create personalized templates that you can reuse in my resource document that comes of the course. You'll find an example template for a weekly review that you can clone. What you can do is take the ideas that you think will help you the most and impersonal ISA Template further or come up with your own. I make use off the template button feature in motion. If I click on my ad weekly review template button, you can see that already have a page with content. This includes checklists and questions that I want to ask myself for the week. I liken Date Did title as today. You'll see if I go back to the previous page, that's a day's entry will now appear in the top. Let me show you how I created a template button. So in a new block, I type in slash and button to select a template button, and this is what I see here. I can name the button, so add weekly Reavy. And here is where you put the content that will be created when you click on the button. So if I close this and I click at weekly review, you'll see a check box. Now How? I added, a page is here in the template button. I can go back to configure the template and this comes up again. I can delete this and drop any other blocks I want here. Say, for example, I'm gonna attract the one I just created in here. Close this, and now when I click, add weekly review. You'll see the pages of Putin comes up. My weekly reviews are about helping me focus on my priorities. You can see mine, our checklist driven, and actually, I don't do too much writing or journaling, but you may want to personalize yours to how you think what's best for you. So you can see I have a checklist of items which is partly inspired from David Islands getting things done and his weekly review but adapted to how I feel. If it's my life and notion system, you can see I have a house work checklist as well and some key questions for the week. Some weeks I admittedly do forget to do this for me. That's okay. My life doesn't completely fall apart. If that happens, however, any time I do remember to do my weekly review benefit from ensuring them even more prepared for the week ahead. If you want to make a weekly review, a habit a recommend scheduling it and committing to a regular time each week, such as a Friday afternoon or Sunday event, I recommend you take ideas from other productivity experts in order to personalize your reviewer. Journaling approaching notion. I hope you can see how you can also designed notion templates for daily monthly or annual reviews, too, and how this can also be relevant for regular business or project meetings.
27. Getting Things Done - Introduction: This video is going
to cover how you can implement the
Getting Things Done. Productivity system with Notion, getting things done is a popular productivity system
developed by David Allen. It's also a book. It's based on the idea that
you can benefit from having an organized system to
approach tasks and projects. When you do this, you can easily move, focus on your priorities
and avoid distractions. While I'll summarize
some key principles and processes and
getting things done. There's only so much
detail I'm going to go into with the methodology. There's a lot of places you
can find information in that way against focus on how notion can be used
to implement it. If you haven't read to
getting things done, but I highly recommend it. There's also a Website
Getting Things Done.com where you can find an introduction and
some useful resources. There's also lots of free
resources on YouTube and other places
on the Internet. The getting things
done method does not recommend a
particular software tool. However, it is my belief
that notion could be the best tool out there to help you with getting things done
because of three reasons. The flexibility of the
application of what you can do with blocks and pages. What you can do with databases, including having multiple views. Notion reduces the need to
have separate applications for actions, projects,
and reference. You didn't have to religiously follow every aspect of getting things done in order to get
the productivity benefits. No mental use the aspects
that work for you and personalized your system
to match your needs. Personally, I don't
follow everything that getting things done recommends by having incorporated
most of the principles, the recommended
workflow and many lessons from it
into my own system. And way of working
on a high level, getting things done outlines five stages to managing items
that you have to deal with. Capture, clarify, organize,
reflect, and engage. I'm going to go through
each one and present a way to manage the whole
process in notion.
28. Getting Things Done - Capture: The first stage capture is the idea that you
should make sure your to-dos ideas and notes are somewhere other
than your head. The written down on paper, your phone, or on a computer. This is for anything
that has your attention. This is so that firstly
you don't forget about it. And secondly, you
don't need to spend brainpower or time
that you might not have to think about it again until it's actually
time to do that task. This could be physical in
boxes or virtual inboxes. And the idea is at the
fuel in boxes you have, the better so that you can cut down on time and complexity. We're reviewing all
your inbox items. You can set up an
inbox in Notion. I use one inbox database
to capture tasks, projects, notes, and
other information. I can quickly add a new
page to the database using the new page
button in the sidebar. It automatically defaults. So adding it to my inbox, as it remembers the last
place you added information. I can tag it as a type of
information later if I want. On my homepage, I have a gallery view that lets
me quickly capture a task, adding a new item here. The type defaults to a task. Anything that goes into my
inbox ends up on my homepage. Do you tasks table as an item to clarify and organize later. In the capture phase. I don't have to
decide what I need to do next or to do to action. I'm also able to use denotion Web Clipper to
get things in my inbox. Remember you can also use a
notion mobile app to enter things into your inbox when
you are not on a computer. What to do next for these
items is for the next stage. Clarify.
29. Getting Things Done - Clarify: The next step we're
dealing with each item in your inbox is to clarify
what we have to do with it. The question to ask is, is each item in my
inbox actionable? Yes or no? If it is actionable, then we must clarify
what the next action is. This is that you can see
clearly what you'd have to do next and there's no barrier
to just doing the task. Getting things done recommends that if there's anything you can do right away in under two minutes and have
the time to do it, get it done straightaway. This rule is meant to help you overcome procrastination
and laziness. You also wouldn't
spend energy having to re-look at the task
when it's done. If it's something
you have identified what the next step is, then it should go on
a next action list. If there are multiple actions, we may have to add it
to a project's list. If your inbox item
is not actionable, then there's a choice
of three things. You can do. Trash it, file it as
reference or incubate it. Trashes for non
actionable items. If there is no value keeping it. Let's get rid of it. For example, I might
have captured an issue where someone complained
about my course. Then I might decide
there's actually no action and I don't
have to worry about it. So our trash it and move on. There are some items
that are not actionable, but you want to
file as reference. This is for information that you might want to retrieve
at some point. For example, I have details of my mobile phone insurance or you may have details of
your CAT for your vet. I need to keep the details
of this somewhere, but there isn't an action
that needs to be done. I file it in reference
as I might need to retrieve these
details at some point. Incubation is for items that don't need any
action right now, but might need action
in the future. We've getting things done. You have two options to
organize these kinds of items. Firstly, put them in
a someday maybe list. For example, I went to go
to Hawaii for vacation, but I can't afford it yet. And I don't know when
I will be able to see that would go on
my someday maybe list. Anything that has a set date such as an event or a deadline, should go into your calendar
or into a reminder system.
30. Getting Things Done - Organise: The organized stage
is about putting things where they
belong in your system. My system is notion. Let's go through the inbox
and see what we have. Here we are on my life homepage. We are going to go through some inbox items and I'm
going to show you how I deal with an actionable task and how I organize
reference information. Scrolling down, I
have a detox table. It's a view of my
main inbox database. It shows tasks that are due, but it also includes items
I have not yet organized. It has a filter of type equals
task or type equals empty, where the type of
an item is empty. It is an item I have
not yet organized. When I captured the item, I might not have got round to clarifying and organizing
what to do with the item. You'll see there's some
tasks here and there are some empty, unorganized items. The unorganized items are in my D tasks as getting them organizes something
I wanted to be doing. For tasks, we can see we can
update a due date and tags. When a task is done, I would click the checkbox and it will disappear
from the list. And if we find that
we need to move dates because we're falling
behind on the tasks. We can update the date, so date in the future. And it will also
disappear from the list. It will reappear when the
date is on or before today. Based on this filter, as well as using the
date property for tasks. This is useful for anything
that I want to incubate, which is to bring
to my attention at a later date if
it is a Sunday or maybe item I said a future date to prompt me
to think about that item. For non actionable items, we should clarify what they are and where to put
the information. This can be done for you. The tags, just video. I can tag as a notion topic. I can link an item to a topic, project or life area. I can then update
the type property. If it's not a task or empty, it would disappear
from this list. This is a video. Once I've categorized
it as a video, it means I'm organized it in the right place and it
disappears from the list. Once your items have
been organized, you should be able
to find what you need when you need it easily. We can set up multiple views of the inbox database that
can be put on other pages. Here on my homepage, I have a link to the watch list. Here I am on the watch list page and I have an unwatched
videos table. This is a view of
my inbox database. The filter is type equals
video and done is untyped. The done represents whether
I have watched the video. You can find the item or just added the video of my
life success planner. There is a link to the video that was automatically added. When I added this through
the notion Web Clipper. If I've watched the video, I will click the Done
Box and it would disappear from my
unwatched videos list. If I go into the
notion topic page, there's a link here
and one of the tags. Then I will also find
that video on this page. Notion lets you create and customize your own
reference system, categorize items how you like, and have it in the
same application as your inbox
projects and tasks.
31. Getting Things Done - Reflect: For the Reflect stage and
getting things done in Notion, you can create journal or
planner pages to help you. For example, I have
templates for a daily, weekly, and monthly review. Here is my weekly review page. And when I click on
the template button, this creates a new
weekly review. The weekly review is an important part of the
getting things done process. This involves getting
things out of your head, processing
your inboxes, and reviewing your projects involves cleaning up and updating your list
to clear your mind. You'll see here I
have checkboxes on the items I have
to do in my review. I've also added a
few ideas I've taken from personal development
best practices, such as thinking about
what I'm grateful for, what went well, and
what lessons I learned. You can customize
your template for planning the week ahead or for bullet journaling to David
Allen in Getting Things Done, explains that there are different horizons of
focus you can reflect on. We've got actions and projects
which we've gone through. The bottom. On a higher horizon of focus, we have areas of focus
and accountability. Then we have goals
and objectives. Vision and purpose
of principles. Areas of focus and
accountability. Could be something like
finances, family, or health. Or it could be
specific career areas. Then you have goals
and objectives which are more long term. This should help you with deciding what's your
areas of focus on. Then at an even longer
timeframe, you have your vision, which is the picture
of where you'd like to be in three to five years. Everything else
should lead you to what you want your
life purpose to be. All the different horizons of focus should be derived
from each other.
32. Getting Things Done - Engage: The last stage for getting
things done is engaged. This is all about choosing your next action
and getting to it. Once your system is in place, it should be easier to figure out what you should
be doing next. Your to-dos should be aligned with your
longer-term goals. You have due dates
on your tasks. Notion can help you know
what to work on and when. Other factors that you
may want to consider when deciding what to do
next is where you are, the time a task will take, the priority and
your energy level. You can add other properties in your nation tasks database
to help you with this, if you require, for example, getting things done

see what tasks you can do depending
on where you are. But I don't have
that in my system as I mainly work from home. There's no exact method of implementing,
getting things done. You're meant to personalize the system to match your needs. There's so much you can do to personalize your
