My name is an ash, and in this course I'll show you how you can use notion toe, organize your life and to increase your productivity massively. If you've never heard of notion before, it's an all in one planning and organisation software that you can use to organize your life and everything else. You could manage tasks to do lists, projects, family life, finances and pretty much anything else that you could think of. It's used loved by millions of people because of the way it works and health Flexible is allowing you to easily build out your own productivity. Work flows exactly how you want them to be. That allows you to have all the features that many other productivity tools together would have all within one coherent system. Are you taking notes in Evernote? Well, notion can do exactly that. Are using Google sheets to run calculations on to manage data? You could do the same in notion. Are you managing projects using trailer or Sana? Well, you could do the exact same thing in notion within a much more coherent system. On with much more flexible options, you can use notion as a replacement for pretty much any other productivity tools out there . So whether you are trying to organize your life, your work, your company or anything else, this course is for you. And the best thing is that you don't even need to have any prior experience. In the course you learn about the basics of the platform. So how emotion blocks work, how you can add in content into your notion workspace how the weapon allows you to easily add content from all over the Web into your notion account and how you construction your pages. You'll also learn about the advanced features of notion that make it into the powerful tool that it is things like the notion databases that allow you to easily display information in various different views, allowing you to create content calendars to get serum tools and much, much more. You will learn about advanced blocks and integrations that help you build out amazing work flows that speed up your work day and that just work for you. You'll also learn how you can collaborate with others in notion to fill out your team, collaborate within your team on projects, collaborate with your fiance on managing your household and much, much more. And also, if you really want your master notion for activity will talk about keyboard shortcuts. I would talk about some notion packs that they are there and much, much more. Also, I show you how, exactly, I myself used notion in my daily life, both personal and work life. I'll show you all the applications that I use on all the things that I have automated using notion. The cause is specifically designed for you to level up with notion. So each time that we talk about new features and you will be introduced, new concepts were directly implement them in a project. This way, we'll build out your notion. Productivity dashboard step by step, going from the most beginner, most basic features to all of the abound stuff that is out there. Also, we have a resource guide that gives you all of these templates to easily download, so you can always Donald what we've done in the course and much, much more. Anderson Resource is like other helpful videos on the guides now. This course will always stay up to date, so we'll be sure to include new videos once a new big feature has been announced by notion . Also, if you have any questions, be sure toe ask them on the discussion board are gladly answer any of the questions. I look forward to teaching you all about this brain tool, so see you on the other side. 2. Creating your Notion account: welcome to the 2020 notion masterclass. In this course, you learn everything that you need to know in order to organize your personal and work life . Using notion throughout, this course will regularly reference the resource guide that we created, so be sure to check that out. Also, if you have any questions, you can just go to the United section or you can start a discussion on Ben will gladly answer any questions that you have. So what is notion? Actually, notion is a new kind of productivity tool because instead of being like other productivity tools that have a pre defined structure, notion lets you I'll put your work flows yourself so you can really adapt the software to fit your exact needs. Also, this allows you to replace many other tools by just using notion so you could take notes in notion, you can have databases, tables, content calendars you could do to do list. Project management can been boards. All that is possible within notion. That notion is a freemium software, which means that you can use the free worsen with limited features, but it will be enough for you to get started as you see, we are on the notion pricing page, and they have just recently introduced the personal and personal pro plan, and the personal plan gives you access to eliminate pages and blocks. Andi can also share your account with five guests, sink across devices and everything that you need for the basics. So the basic set up you could do that with the personal plan. But if you want to have full features like the A P I that's coming soon or the version history on the unlimited file uploads, then you will want to upgrade to the personal pro plan. This is really nice, because it used to be a pretty limited version that you could get for free. But now the version of personal person has pretty much all the features that you need and is not that limited on bond. If you want. As they said, you could always upgrade to the pay plan for just four bucks a month. You'll find the link to notion on a resource page and also below this video. Right now, we'll just create your free account to get you started so that you can test out notion first and see if it fits kind of your work style and you the way you want to organize your life and then later. If you are interested, you can upgrade to the full version. So we're now on the notion home page on to create your account. You can just go to sign up, and then I will be logged in as I already have an account. But you will have to go through the sign up process, which is pretty straightforward. You will just be asked a couple of easy questions, and then you will be directed into your account. You will probably have to agree today. Data collection on. You'll have to enter your name on Ben. They will ask you if you want to use notion as an individual or asked if you want to use it as a business with your team. But we'll go with the individual plan. For now. If you're planning on using your team, your notion with your team, you can always upgrade that later. Once you're finished, you will get to a screen that will look something like this. Besides the main notion Web application, there's also the notion Desktop Virgin, which is pretty similar, not that much that you can do within that that's different. The only advantage that the best of has that you can get push notifications on desktop, but said from that, I just personally like to use the Web version because it just works. It works just similar just fine. But if you want you, you will find the don't know links on the notion home page. There's also an app for IOS and Android, which is much more interesting than the desktop burden because that actually gives you the ability to use notion on your phone while you're for example, on the go and you just have a quick idea that you wanna write down or if you're using it, to track your habits and you just finished finished one of your habits and your on your phone. You can quickly check that off, so that's definitely something out. Recommend to you. Just go to your either APP store or Google play store, um, and installed the APP. The last really helpful to that notion offers you is the Web clipper. It allows you to clip images, texts, articles, onda whole pages into your notion account. We'll go into more detail how that works later. For now, just go to the corresponding Notion page. You'll see the link on the screen on download the extension for either chrome or file. That's it for his short introductory video. In the next videos, we'll go into detail on how notion works on. We'll start getting you productive using notion. 3. Basic navigation: Hey there in this video, we'll go through the notion application together to find out how it works, what you can do with it and to give you some basic introduction to all of its features. Let's get started for this. I have created a new workspace called Nurse workspace, and when you first create your workspace, you will find some of these kind of basic pages in there that will help you get started. But we don't need these for now, so we'll just go ahead and delete them one by one. And then we'll just start by creating our own notion set up and I'll show you some of its features and some of the waste you could add content to notion. Okay, so now that we've deleted all of the prior pages, let's add our first own page. And this is basically the most basic building block of notion. It involves around pages, so you have pages you can think of pages kind of like documents, the same as you would have kind of holders in Google drive on your computer, and within these pages you can add in content you can add in other sub pages so kind of like sub folders. Andi Yeah, that's basically how notion works. So let's adult title to our first page. Let's say this is our first page. Now you'll see how on the sidebar this changes to the name that we just gave our title. So this is basically like the name off the fall of the name of the page. And now, within this page, we can enter in content. We can put in any content text, video images, PFC. Other files, music and much, much more. We do this by pressing, enter or just putting our mouse in this field, and now we can type in slash command to choose between many off the building blocks. That notion has to offer will choose text for now, and we'll just typing. This is our text Now we can also put in a heading. So that's a H three, which is heading three, which stands for small heading, and we'll say this is a small subheading Now. We could also add in something like an image which we can choose from on Splash. Just choose this one for now. And now you see how this image gets added in tow our notion page. Now you have some more options. Like, for example, you could drag these around. You could say you want the text, the subheading to be next to the image. So this kind of trades two columns. You could even say You want three columns. That's all works. And this is how you can create layouts within notion, the notion software, which will later used to create our own work flows. So stay tuned for that also just the same as we have kind of created. These columns weaken. Just drag these content blocks around. However we want, we could say we want That's it. Let's just add another text block and say, this is this is our text block number two and just say we want this to be one. Just be up top And now you see how you can easily change these around just how you like them Now. What makes notion really special is that inside of these documents, you can also have sub folders. So in other tools like Google Drive, you have folders that you can put some folders into. But you can't add in content in these sub folders directly and this is what makes notion really, really powerful. So we just use this slash command again and we'll just have in page. And now you'll see we can choose this basic block and better sub page inside this page, we'll click on this. And now you see how we switched from this is our first page into our sub page, which is called this. This is our sub page. And now we can go back to the first page and we'll see that this kind of sub page has appeared in here. And also, if we click on this drop down, you'll see that within our structure here, we have kind of this sub folded a sub menu just like you would have on any other file system. And again, this is what really makes notion that powerful. This notion sidebar right here is also really powerful. If you want to switch between different pages quickly, eso you couldn't just added a new page and you could say this is our second page and now you condone If we collapse this, you can use these buttons to quickly switch around between these different folders two different pages to conveniently get where we want to be quickly. Also if you want to focus. So if you don't want to have this kind of navigation bar with you all the time, you could easily collapse it by clicking this button up here. And now you have just a really clean slate clean screen where you can just focus on getting your work done. Now, in this left sidebar, you also have many other options like, for example, up top here, you can switch between different work spaces. This isn't really relevant for you. If you just use notion as a personal tool, I personally only use one space myself. I just have this different space now for the course. But if you, for example, had a company and you used notion private as well, then it would make sense to have different work spaces. But this is too advanced for now. You don't really meet this right now anyways, Now, the next option is this quick find. This lets you search through your whole notion workspace again, something that's more relevant when your when you kind of have a big notion space with maybe hundreds of thousands of pages and you quickly want to get to one specific page that you know the name off right now. This wouldn't be much relevance to you because you just don't have enough pages whether it would make sense. Next we have the all updates tap. This is where you can get notifications. For example, you could set reminders with a notion. So you get a reminder notification right here. Also, if you work in a team, people convention, you and then you will see where you got mentioned in your in box right here. Next up, we have the settings and members Tab. This is just kind of you to settings. It's pretty self explanatory. You can change things like your name. You couldn't choose a your l that you want your notion workspace tohave. Also, you can add in members. You can manage the billing upgrade on some other nice features, like the dark mode. As you see right here next up, we have the notion templates will go over those bit later. Thes are pretty much pre defined work flows and setups for notion that you can use to imitate really popular work flows like project management or managing finances or having a serum or a notes database, which will also get into later in this course, will take a look at those later. But just just remember that that there is enough for now. Also, we have the import or the import options, which allow you to import content from different other tools directly into notion. For example, you can put in your Evernote nodes. Traveling solo boards can be imported into notion s so that you can use notion for project management, which works well and also many, many other options. That notion gives you to import other software content into notion. Again, the trash is pretty self explanatory. This is just where your pages go once you delete them. Um, nothing special or up about this on that. Down here, you can now add new pages. You can also add new pages, right. Here s Oh, this is just one more option. That notion gives you to add in your pages into your workspace. Next up, we have the top right menu. Now, this is what you have the sharing menu so you can share to the Web on bond. There were other things that we don't need to go into detail right now. We'll do this later, but just be remember that you have the option to share your workspace. You also have an update stab. So if you're on a page and somebody else, for example, updated something about that page or yourself updated something you changed around the layout or was something else, this will be visible in the updates tab. So you always can keep track of what happened on your page. Um, and you condone. Also go back. If you made any changes that you didn't want to make next, you can also favored your pages. So click on this favorite menu, and then your your page would be added to a new tab called Favorites. I don't really use this, but if you want to, this can be really helpful, especially if you have a really big notion workspace. And you worked with a couple of pages on a really regular basis, just adding to your favorites, and then you will have a quick access way to get to them. And lastly, in this top menu, we also have the option to kind of change around some of these styles. You can change around the fund, for example. So that should say, one day, several fund, and now this is all in a several want. The thing about this is that these changes are made on the page by page level. So if you change this here, it will only apply it to this second page. So if you go back to our first page, this still has the normal fund and nothing changed their and this will be the same case with any of these changes like, for example, the full width or the small text. These only apply on this particular page. So you have to enable this on every individual page if you want us to be active. Also, you'll hear find some of the other options, like deleting the page on doing changes on importing things directly. You can also export your page. So these are some of the options. That notion gives you again some of these options you won't need in the first place. But just, you know, that there is already really nice. And lastly, we also have this kind of question mark at the bottom right. This gives us access to the help and support guide. So if you have notion premium on, I think also, if you don't have lotion premium, you will still get help by the support team. You have access to the cheap keyboard shortcuts, which will also calculator, and you have some other Ling's about notion. Another two last things that I forgot to cover are that you can add things to your pages so you could add in an icon to kind of make make your page look a bit cooler to make it a bit more homey on fun on not this kind of dull, black and wide set up. Put some color in there. You can make this. You can adapt this to whatever you want, so there's lots of emojis on different illustrations in here. Let's just say this surfing. Let's just take this surfer Onda yet there's there's lots of options that you can choose, so just just check this out if you want to. And also, one more thing is you can add covers again, something that's not functional. That doesn't actually make a difference in the notion workspace. It's just some nice extra. You could just put in kind of this cover which would be a top image. You can change it to whatever you want. So let's just choose choose one from the NASA archive. I don't really use them because I really think that they distract me would have been Help me. But the options there for you if you want to kind of make your notion set up, make it look a bit and feel a bit more fun on creative on. Not this kind of really sleek, minimalistic look that notion has otherwise. That's it for this introduction video. No notion is kind of overwhelmed dwelling in the beginning if you have never used it, but I'm sure that you will get the hang of it eventually. It's a pretty fun software, and you can really do much with it, so just kind of experience. Experiment with it and we'll start by actually having a look at more of the options notion has to offer and what we could do with it in the next videos. So station for that, and I'll see you in the next video 4. Basic blocks: Welcome back to the notion masterclass. In this video we'll start where we left off in the last video, and we'll discover some of the basic building blocks off notion that you can use to create your work flows to use in your documents and much more. Let's get started as we don't need them right now, we'll just get rid of all of the contents that we added to our page in the last video, and we also get rid of that image. And now we just have a blank slate again, and we'll start by entering some text. So this is our text block, and this is pretty much the most basic building block off notion. It's the default block, so if you go in a new line, you can just start typing in right away for the other blocks. You, of course, have to choose them by using slash and then choosing the corresponding item from the drop down. Some options that you have for text is if you double click on it. You can comment on a certain piece of text so you can add something like Yes is a comment and you can even mention someone in here and click on Send. And now you'll see on the right side that this added a comment to our page Andi. It will also be marked in this kind of yellowish color. Also, if we go back into the double click menu, you can make text bold. You can tell a size it, and you can do the strike through all we've been here, thesis some of the options that gives you also. One more option is you could turn them into code, so this will highlight them in this red color with the gray background really useful. If you want to use, for example, notion for coding the documentation where you want to have certain keywords or variables highlighted, you can just use this need your notion feature. So again I'll type into the new text block. This is a new text, and we'll go but some more features. You can add a link to a certain word by taking the link option. Just paste in the link right here, and then it will be automatically linked like on a website. Also, notion gives you the ability to choose a text color so you can choose both through the actual texts color and also the background color. For example, let's just say we want to make our text purple. You'll see that the text will be purple but not the background. And if we now choose to have a proper background, the text will stay black, but the background will be purple. You can also do this for the whole paragraph by dragging on these buttons work here and clicking on color and just choosing purple background. And now the whole block will have a purple background color. Now, another really nice feature of notion is that you can turn a block into a different block. Again, we'll click on this double menu double click menu. And if we go to this first option, which has turn into you, click on it. We can say we want to turn out text into, say, into an HD, heading three small section, heading on their freak on that the text just get gets automatically translated into whatever blocked with chose. So this is really, really nice. If you have a block and you want just want to change the layout of it, you can also put up you could choose Page so you can turn a text into a page. And now we can click on this. We'll see that this is now the heading off our page, and we can start adding contents into that sub pages. Well, now, since we're covering these already, let's talk about the headings. There's three different headings. H one h two image three thes are kind of they follow the specifications off hate email. So each one telex age six. But in in the notion that is only the 1st 3 each one being the first biggest one. It's to being a bit smaller, and it's three being the smallest of the three. So I'll just show you how these look will just have having one that this is heading one, and that will do much too. This is heading two on. Excuse me if I'm typing this in a bit too quick for you, but just to demonstrate how it works, I wanted to speed it up a bit. So this is history, and now you see how these how would be the sizes are different for each of them. So these make it easy for you to organize your page infrastructure, your contents. Another feature that you have another block that you have is the bullet it list. So if we go to drop down on click bulleted list, it's just a list of bullet points. This is a bullet point, and we can just add multiple bullet points. But bright here it works pretty much just the same as it would work in word or Google docks or anything else. Just pretty much straightforward bulleted list. Also, you can use a to do list or kind of a check list. This is the same. So this is a to do. And if you click enter, you get to the new new line and you can click. You can enter your new to do item. So this is our next to do. And now what this does. What option this gives you is that you can check them off like you would be able to in a actual to do this on as you see the text and gets great out to kind of show you that you have finished your task just like usual, uh, to do list manager to less app would do next. Notion gives you the ability to include images, which we also covered earlier. You can just upload your own image. You could embed a link. You can use unspool ash to add in one or more images to your notion. Set up, and you can also released four videos. So if you click on video and maybe if you didn't notice by now, you can. Also, if you entered the hype commanded a slash command, you can just type in whatever you're looking for. So if I'm looking for a video, I can type in a bid, and then the best option will automatically appear, which is video on. So if you click on that, you can again embedded link. Or you can upload a file to notion, because notion gives you unlimited data. Eso you can really upload a heavy chunk video. Or you could just upload your your image into your notion account. It's works with YouTube, Vimeo and other tools. Eso just paste in the link embed video, and that's it, then goes for PFC. So if you type slash pdf, you can just embedded pdf. You will be prompted to choose a file from the computer and then feel just do this right now. We're just choose this. Pdf and then the PF will be imported and you'll even be able to access that within. Your notion Now will quickly go over some of the other options that you have. For example, you have a quote blocks which are just a bit bigger text, and they have this kind of bit of padding on the side kind of border on you can say this is a block quote is just a nice element to kind of make your set up look a bit more beautiful . Bit nicer. You could put in descriptions on This is just something that enhances your layout and you're set up. Also. There are dividers within notion, so you can just typing divider. Or you can also just do three dashes, and that will also give you a divider. The's are just nice to have split up your content on toe, organize your set up. Next, there is a call out, and this is something that makes you running stand out. So if you have, for example, a information that you want your used to see, that's important for the set up for a page in your notion account. You can use this to kind of explain what it does. You can Adeniken to it on the district makes it look really, really nice. Also, there's the option to link to a certain page within your notion set up so you can just type in link to Page. And then we could link to a page within on that Russian set up. We only have one right now. Eso It's a bit hard to do this right now, but this just allows you to kind of link between pages to interlinked them, making collaboration and switching between different parts of your notion set up in notion account really, really easy. Then there's also the table of contents element, and what that does is it gives you an outline off your page. In our case, it just pulls in the heading one heading two, heading three that we credit here earlier. So what? It does it for all the headings. It pulls them in, and it links to them so that you can quickly navigate. If you have a big, big kind of document. Where there's loads of different paragraphs where different topics are covered, you can use this to kind of get a quick, quick access to them. Then there's also Taba lists on. What they allow you to do is that they can hide content within them so you can have a toggle cold. This is our toggle, and if you open it up, you can enter content within that target. So we just say 123 If you close the battle now, you'll see that these thes elements that we put into their will disappear. That shows how this could be used to hide content away in order to clean up your set up. So that's it for these basic notion building blocks. Two things that I want to cover still is on pages. There's some more options that I haven't covered yet, and I want I want to show you that again help you customizing your set up to your needs and to your liking to things that you can do is in your page. You can add an icon, so now they showed a default. I can, but if you click on that, you could just choose any I conduct you want. For example, we'll just use this brain right now, And this just helps you kind of making yourself look a bit more beautiful, personalizing it to your liking on just having set up that you really like looking at. Because in the end, notion is supposed to help you create work flows that you like that you want to work with Onda and also be kind of aesthetically pleasing and nice looking at the same time. Not old rusty tool that nobody wants to use but a new on inviting tool that really that really does something that really improved productivity, and it helps you improve your quality of life. Another feature that goes into similar direction is the ability to add covers again. This is not a feature that you have to use. I actually don't use them myself because I find the more destructive than they give me back so that they don't have a real value to me. It just it's supposed to make your page look a bit more personal, more stylistic. You could choose this cover so you can upload your own images. You can upload a picture from a link you can use on splash images and just helps you to personalize your experience with with notion, but that's it. On these blocks and the page settings. We covered more than enough topics in this video. So that's it for this video and in the next couple of years will start actually implementing these blocks into our own applications to make use of them and to create riel productivity work flows in notion. 5. Project: Create your Notion homepage: in this video will build your notion home page. This is kind of the first step on your notion. Journey on. We'll start with us now and then. We'll continually add Mawr and Mawr kind of applications on pages to your notion set up as we go along the course before you get started, though I want Teoh just wanted to say that don't try to make this perfect because it won't work if you're using notion. It's always the case that you kind of constantly are trying to improve your set up, that you find new ways of doing things or kind of work for. That works even better for you. So kind of try to embrace that. Andi, Just start out with the mindset that you will definitely changed these things later on. But for now, let's just get started. Eso that you kind of get a feel for notion and that you can test it out for yourself again when we're building these kind of applications with the notion, it's important that you will find all of these templates that we build within a resource guide. So if you kind of feel suck or you just want to have a quick and easy way off, adding them into your page. You can go through that resource guide, click on the corresponding page and then click duplicate on the top right corner in order to duplicate the set up the template into your own notion. Workspace. So now let's get started with building your home page. Do this well again. Read all of the content that we add in the last videos because we won't need them for, ah, home page. Well, also rename the page to home and will set another icon that fits Thehuffingtonpost theme. But better will also change to cover have kind of more of a homey feel that's just typing home. Maybe we'll find something that looks enticing and we'll just go for some Really a simple, minimalistic set up, right? Okay, so now we'll get started with this homepage. Okay, so first will create a call out. That kind of welcomes us to our notion page. So we'll just type in slash call out and through the color. Aiken, I will just say, Hey, you know, sh welcome back to notion way we can change the color so we'll use a purple color for this one. You'll see that it changed to really light purple. And then the next thing is we'll create two H three headings, one for work and another one for personal life. So personal, personal things, personal pages. And then we will drag them next to each other to create two columns. We will add some background colors to them just to make it look a bit more appealing again . Green for that. And now we will add in some of these sub pages that will go into these kind of work and personal areas so we'll have a sub page that is a content calendar. This will get an icon as well, so we'll choose a calendar icon Got it right to you, Andi. I'll go back and then we'll add in another one that is for meeting notes. And right here we'll add a notes. I can just choose this one. We will be creating a CRM. So credit page fellas well on, just type in see around can use money for this as it's concerning sales, and that's it. Then we will create a sub page for the personal space. Call this learning list. We'll add in a book for this, so I know that I can just to make it look a bit nicer. We will also have a recipes that arrays and keep in mind that we will go into more detail on these later. We're just having the pages to credit straight home page that you see how the home page in notion might look. And then later, when it comes to these individual projects, well, actually filled out his features that you can actually use them for your own personal and work life. So we have recipes right here on. We'll include in Aiken, that has something to do with food. Let's just go for these noodles would here. All right, the last one will create is for our golds, so we'll just get a gold page on. Will happen. I can Gold would have goals. I can be a target. Yeah, so we'll choose the target Aiken and we'll go back. And there's one more page everyone to creating a workspace, and this will be for our knowledge base that we'll build. Use the brain, I confess one. And that's it. When it comes to these pages. Now, the next thing that will build is a habit tracker that you can use to track habits that you want to complete on a regular basis. So let's just get started. We'll use the same heading. Three. You can just type in age three and you will get the heading. See, we'll use that and we call it a habit to track up, and we again will choose a background color just to make it look more appealing. We can use yellow for that. Andi. Make it a full with element. Hopes just it's a more space with him on what we now we'll do is we'll trade columns for each day using checklists so that you can kind of check off the routines you want to do from Monday to Friday. So now we'll just add in the different days that we have so well at an age 34 Monday, we'll add one for Tuesday will just duplicate them. So if you could pick on the's, six dots were in here and do a left like you could duplicate them. Um, and you can also do this by using control D. We'll just create five copies of those and will drag them each into one column in order to kind of have this weekly overview will change names in a couple of seconds on. One more thing we'll do is we'll go up here to the three dots and we'll make it the page full with layout so that we have a bit of extra space. Um, yep, Now we'll do choose a out of this way we have Wednesday and then there's Thursday and Friday. And once we've done this, we can start adding in the different kind of daily daily habit, like we want to have will use it an underlying for this as well. So this just makes it look a bit nicer. Just use three dashes, and that gives you this underline effect. Now, once we've done this with stop by adding in the Czech box is our to do list. Items will say drink. Two leaders of water will say, Wake up before 7 a.m. Read for 15 minutes, and but I work out four 30 minutes, right? This will be our habits that we're going to track from Monday to Friday, and now we can just copy them. So using control Z and then just copy, pasting them into the other days that we have in all week. Now, this is not the best way to do this or not. The best way to set up this habit tracker. But for now, it works perfectly fine. Now you can. If you go to your home page and it put up, it's Monday. You could just check off these habits that you that you did and then you'll see at the end of the week how many times you miss out on certain habits. Maybe what you need to improve to kind of follow through with their habits and to improve habit completion rate. Now, this is not the best way to set this up. There's a better way to kind of have a automatic implementation of that to generate New weeks every week. But this is too advanced for you at this stage. Eso I just don't want to well, me right now, but we'll definitely come to this later on. We'll create an even better implementation of this. That's it for this video. As you see, we create home page with each of these different sub pages in them that we link to. We have this nice kind of hero banner that just greets us, and we can track our habits using the habit tracker that we built. This is just again a pretty simple set up. We'll get into more and more advanced features asked. This course progresses. That's it for this video. See you the next one. 6. Notion templates: in this video, we'll take a look at the notion. Templates Library. It's a variety off, different templates that you can use in various different use cases and reveries. Different kind of work environments. It's really helpful because it allows you to see what's possible using notion, even if you haven't built out any real applications yourself. As we discovered Elia, you can access the template slavery by clicking on templates in The Elect Cyber, which will then open this pop up menu. You can also open them if you on any page. If you create a new page, you'll see this prompt to create a template on that page or to open the template within the page. And then you'll see the same pop up right here. This is the pop up version off the temperate slavery, but you can even see more than that. So right here you have different sections on in these sections. You have various different applications, but if you go to the full template library, you'll find even more templates than you can already see in the pop up version. Off the gallery Andi. You'll find templates that were created by community members, but many people using notion themselves on do you can just have a look through and see what people are using notion for what applications work well on. Also, what just kind of fits fits your use Case fits what you want to do. Now let's go back to the previous page to the papa vendor on Let's Look at the sales section and then at the sales Wiki, as you see, will be able to fully preview what the tempered includes in this left corner left half of the screen, and you could even click into these pages to see what they are made of. What, what the purpose of the maze and what contents they offer. She go back, Go back on the top menu right here. And if you want to use this template now in one of your one of your pages, will close that down. Open a new page that we don't lose our home page, um, templates again, say is wiki and use this template, and if you could use the template, will be able to import that directly into our workspace. So now we've got the sales we keep on. This was now added to our workspace. Another private section workspace and private section. Two different areas. The workspace is for if you have multiple team members, which we'll get to later, they will all have access to the workspace. But private pages are only visible to you. As you see Now we can click through this. We can add in our own content. So if we this is the database again rounds feature. But if you just go to resource is here and say we want to call this tasks does make any sense. But you get the idea. You can change anything you want within these templates and kind of use them as a starting point is boilerplate to get started and to create your own workflow by adapting these templates that said for this short video, I'll see you in the next one. 7. Introduction to databases: in this video, I want to introduce you to notion databases. Now I know that databases might seem quite intimidating to a lot of people, but I think that notion has done a quick, great way off implementing them in the sort of way that makes it really easy for beginners to understand. So it's not anything related to complex programming or whatever. You can use them pretty much like a spreadsheet, a table. In the end, they just combine the power off different format work format data format together to let you really easily display the data and the information that you have in the ways that you want to. So without talking too much about that, let's get straight into it, Andi. I'm sure that you will get what I'm saying and that these databases will be something that can really, really improve your workflow on that one of the most powerful, the most powerful feature that notion has to offer, so definitely definitely check them out. So, as I said already, you can think of these databases as a flexible way to collect organized filter and sort through information. So right here we have a recipe state of race. This is in the so called table view, which displays the data in the table, and we have a couple of recipes in there. These have different properties as I called, and each of them is a separate entry. So we have a world's best lasagna recipe, and then we have a corresponding rating, the cuisine that is associated with the prep time and a link to the actual recipe. Now this might seem a bit familiar, as it's not that different from, for example, having an Excel spreadsheet or Google Sheets spreadsheet. Now, when it comes to Delhi raises, you can really change up these properties in any way that you want. So in our case, we obviously chose properties that matched through the kind of database that we were trying to do. So this is a database you can add in recipes, and you consort them and organize them by adding a rating and cuisine so that you can later filter for these specific attributes that the entries have sunny end. These properties are just used to give context to the database entry that you have onda, and there's lots of them. There's lots of different property types that you can use, but we'll just get started with some of the most basic ones. The first property is the name or the title property. This is the one property that you can change because the title of the entry on its used in various different places so the notion needs toe have this at all time. We'll get to that a bit later as well. But for now, just keep in mind that you can change name of it, but you can't lead it or just get rid of it in any other way. The next property is the text property. So if we just click on, add new at the plus button back here, you'll see that we can get Neymar column. So we just call this text property and you can do the property type Texas to the fall. So we just choose that. And now you see that we are able to add text for this. So this is the text property. This is the most basic one. Pretty easy to understand. I think next one would be the number property, so we'll just happen number and then we choose number from job drop down. Now you can enter any number in here. The difference is that for these numbers, you can use these for calculations again. Something will go over later. But for now, just keep in mind that there's a separate number of property. You can also add in, for example, a percentage so you can't say this is 6500%. Or you could say you want to have it in dollars. You can change this in any way you want, but you just keep in mind how this differs from the text Property. Next to properties that we have are the select and the multi select property, so they were pretty similar. The select property lets you select a kind of attack from a pre defined list of tax. So let's just say way could use the crazy in the example. In our case or the prep, that's it. Prep time. The prep time is a select property, and if you click on this, you'll see that you can choose from short average and long, we added, These in it is in. You can on immune if you want to, so we could say really long as another property. And now we can assign this kind of value to the through this recipe. Multi select are pretty much the same, except that you can choose multiple different tags. So we could say Alright, lasagna is both Italian and American cuisine, which is definitely true. But you get the idea you could choose multiple properties for this property type on multiple values for this property type. This is really useful when we want to fit filter through these elements later in the course , the next property is the date property. Well, at that end as well, we'll just say date and then we choose the date property. For example. You could do this where? If you wanted to say, I want to cook this this recipe on this state so you could sign a day to it and then you would get around remind on that date that if you wanted to, that you wanted to cook this this recipe. So let's check this out. We click on the property and we'll see this pop up window. We can choose the date. So today's the off off May 2020 we could say we want to do this on Friday. 15 on. We want to be reminded on day. If we went at nine o'clock, we can even include a time. So we'll say 12 AM Onda we can form at the date and time zone and now you see that we have added in the date for this recipe. Also, some of the properties are pretty similar to the kind of block elements that you were that you're used to that we saw earlier when we talked about the basic blocks of notion. For example, we have the checklist, so type of checklist and we just choose a check box item. And now all of these checked boxes appear. You can check them. And this is also something that's really nice for filtering through content. Something will cover later in this course is well, also, you can upload files media so you can choose the prize that media type. And now you have the opportunity to choose a file. Oh, are embedded link to upload the pdf an image or anything else. Next we have the u. R l. Of course, this also works way did this here. So since we pulled these in from websites notion automatically added these your else to three the database as a property, and you can use this to add a link which doesnt can open. Run here so you could have a convenient way of looking at the recipe. If you have it saved. New notion. But you want to actually see what ingredients need. For example, then there's also email and phone. They work pretty similar to each other ones just designated for email so you can just at an email addresses. So let's just say test at notion course thought calm. And now you can just add in this email address. It will give you this option to send an image wrecking through this person, and the same goes for phone number so you can have a phone field and at a phone number. And let's just happen an arbitrary number, and then you will be able to call this number directly through notion. Now, one of the most powerful database features we haven't even covered yet is that notion databases and notion database entries act as their own pages. So you remember how pages work with a notion. Well, each of these individual entries each of these recipes is in itself its own page. So if you click on open for the lasagna recipe, you'll see a list of all these different attributes all of these different properties that we added. But down here, you'll actually see that it also pulled in some of the instructions from the website that we got this from. You can now add in extra content down here so we can just type in our new text. Well, you could add a heading. Andi could do anything that you could do in a normal page. You can even include sub pages here. So let's just say heading and we'll just add another page. And now we have a page within one of our notion database entries. So this again allows for really, really deep, deep nesting and for really powerful applications, as we'll see as we progress through the course now also know that these are also connected with each other. So if I, for example, select, it had changed the number to $100 instead of $65 and if we then go back, you'll see that if we scroll to decide, the number here has also changed to $100 again, if you are kind of struggling to keep up, just take it slow. It's a bit of a learning curve to get to know notion and to figure out how it works. But once you get the hang of it, you'll just find that you have so many options and that you have, uh, so many ways to really improve your workflow. So just keep trying on stick with the videos and really, really sure that you'll figure it out again If you have any questions. The Q and A section is therefore U s. So feel free to as ask any questions if you feel sacra, if there's anything that you I would like any assistance on now. Another really powerful database feature, that notion has, is the ability to change of use. So pretty much notion stores these entries in a way that they can kind of change around how they are displayed without changing the contents. So you have a really flexible way off displaying the same data in multiple ways. We'll look at how it works right now, so if you see up here, we have the table view and if you click on this, you'll see that there's several other views that we can use. For example, we have a gallery view, and the gallery view shows us our entries. So the recipes that we added in this beautiful kind of like portfolio gallery layout with a big image and small text, and it's just another way of looking at it, you can just way more visual. And for some use cases, this is maybe the preferred way. How you want to look at this. Also, there is the border you. So this is again another view, which organizes the contents off the database in Cambon Butte, then organizes them by a different group So you could group by Rosine. We could even crew group buy rating. So we have the five star rated recipes were here four star right here and then the three star off him, and this again is just a really nice view that can help you get make more off the information that you have. For example, this is really, really ready for project management or, for example, I use this to plan out my online courses like this one, which again I'll show you later in the cause as well. So stay tuned for that. Then there's two more views. We have the list view, which shows you all of your database entries in a concise on compact list. Just nice to have a president but minimalistic set up. And to get a quick, quick overview over the entries that you have all the recipes that you have in this case. Lastly, we have the calendar of you, and this view just allows us to see the database entries that we have on a calendar. So this gets populated, depending on if your database entry has a data sent to it or not. So, as we see right here, we assign these states to these through these different recipes, and that's why they will be displayed right here and you can just click on them again. And then you will get access to the recipe that we added to a database and you can change around the media for properties and the values for properties, and there will be updated in the database as well. You can also drag them around. So if I wanted this to be on the ninth, which is today taken just like it like this, and it changes over here. The same actually goes for the other views as well. So, for example, on the board view, you could just move this recipe to be a forced, Uh, and then the value would be automatically reassigned, depending on the changes that you made back to our calendar. Example this, of course, doesn't make much sense with our recipe example that we used earlier. But for example, if you want to have a content calendar on def, the individual that is entries that you have our posts that you wanna post on different platforms like the interim post that you want to schedule or the block article that you want to write all the YouTube video that you want to plan and you then use this count of you it can be really powerful. And it can really replace tools like Google Calendar for this kind of content counter planning toe. Also, you could add your continent years into a can ban board while you have an idea phase. Then you have to move these cross to the kind of the section the column Wait, You work on them, and then you have finished column, and you can do project management with that. So it's really powerful for a variety off, different use cases on, um, I hope that it comes across how how powerful is this? In many, many instances, one more little thing about databases is that they can be both in line and they can be their own pages, which means the online case that you can add other content to the page. In the full page case, you can't add any more content to the page, so the page is pretty much just the database forgettable. If you have really big databases where you don't need any additional context on the page, I'd use the full page report base while, on the other hand, if you want to at a small database in between other things, I just used the online database. I'll show you how to do this on a resource page where we are right now. I'll just add in in line database for typing in line and scroll down. You'll see a contract, the table view in the inland version, the board view gallery view list view and cattle of you. I'll just use the table view and you'll see that we have this in line table that is just half half the width. Because we have these two columns, they will usually be the whole with, But it's definitely inland database because you can out of the contents like he is, which you couldn't do. If it was a full page database, that's it. For now. I hope that you were able to understand the basics off databases I know that very basis can be a bit hard to wrap your head around. But again, just take your time. If you need to kind of pause and digest all the new information that you got, take your time and I'll see you in the next video. 8. Databases: Filtering, sorting & other useful options: Welcome back. Now that you have a basic understanding of how a notion databases work, let's look at some additional features that can help you leverage the power of the basis even more. Let's get right into it. So in the last video, we talked about properties and how they can help you organize your information in databases . Now let's look at the recipes table view again and you'll see that we have all of these properties right here. If you now change the view to the gallery view, you'll see that not all of these that all of these properties actually appear on this page . Another. All of them are shown right here. And this is because you can toggle these properties on and off in different views so that you only see the information that you actually want need. Let's look at this on the top right here. You can click on properties and you'll see that there's all of these properties that we have, and most of them are turned off. So if he actually wanted to add up all of them in, we'll see how there's more and more properties appearing and not much happening because we didn't fill out all of them, but we could actually add in all of these if we wanted to. But we could also get rid of all of them if we would just wanted to have a really, really basic and plain view. And this is really nice, because in some cases, like, for example, in our case right now, if you go in the table of you will see that we have all of these properties that we probably won't need to look at all the time so we could say right, we don't need most of them. We could just hide them and only show them in the views that we actually want to see them on. Also, because you might use different views for different kind of purposes in different tasks. Because in the end, you want tohave data in your database and then you want to have specific entry points that you just have a glance at the data from using filters so that you only see in the data that you actually need to see. This allows you to still have a good overview off your data. If you have massive amounts of data in there, especially if you're trying to use notion in your team. This is something that will be really helpful because at some point you will lose track of all the entries, and you will have to have a system in place that allows you to easily see the data that you need. Another really helpful tool that notion gives you is the ability to filter out elements. That means that you can have a look at a specific subset of your data, and you can hide off the information that you don't need, so we'll check this out. If you click on filter, you can just add a filter. And now we could say, for example, we want the cuisine to contain Italian. So now only the entries are shown where the cuisine has Italian written into it, or, for example, we could say not the prison. We want the rating to be five stars, so we only have one FISA recipe. Let's look at the four star recipes, and now you see, we have to force the recipes so we actually have 3/4 of recipes, and this way that the other data isn't lost. It's just not shown because it doesn't meet your criteria, and you can also add more than one. So you could add The reading is four stars filter and then you could say the name. Let's let's say the what do you want to do? The prep time is average. There's not any entries in there. Okay, let's look at short. Okay, so now we only have two recipes and you can even add in another filter. So let's say we want our, um what do you want to choose? Let's just say that the link contains some value will say BBC because both of these are BBC recipes and other one isn't so. If we say BBC will only see these two BBC recipes, and you can do this for any property so you can filter out for any property that you have, you can filter out certain values. You could say I only want to show Thean entries that do not have this property on the do not happens value. I only want to show the purpose that have this value and men you any other options. Just having a look back again, you can say, as you see in the reading option we have here reading filter we could choose is is not so. Reading is four stars. Running is not four stars. Running is not empty or is empty. So if we have no rating set for a certain recipe, then these would be shown. If he said, reading is empty on in, Freedom is not empty would only see through the recipes that we actually gave rating to again. This just gives gives us the opportunity to look at the same data that we have from two really different perspectives just by using filters. Now we can even take this to the next level by including a sort into our database so we can sort by a certain value. As you see Right now, we're sorting by cuisine, sending so it goes from five straws down. We could say we want to sword by my name. So name ascending mean. It means it starts with a and it ends with W. We could also say descending or we could choose. Cuisine is descending, so this then looks at the cuisine that we have. Sorry, dude, I thought that's added back in again, cuisine ascending. And as you see this looks at the order that we actually put these different values in. So if he would move the Italian value, which is now the top value to the bottom, you'll see that the lasagna entry that we have moves the bottom as well. And now, as you see Italian is at the bottom, one more features that databases have, and that's especially useful if they're really big, is that you could search through a database. So if you have a database that has, let's say, 500 entries, you have five different recipes, and you are searching for a specific recipe that you know exists. But you can't find a quick way because you have so many different entries. Use this to find a specific one. So, for example, we want to find our Thai fried fried prawn and pineapple rice. If you just happen tired, this gives us the corresponding recipe. Now there's some more options for the gallery view and also the board view that will go over Now. This is something you'll find the properties option field, and you can change the card preview, which means you could change what this image does. You could say you wanted to cover the page, you could say You want that to be the page content. You could say that you want none, so there's no image shown, no card preview shown. But usually you wouldn't want to change that because it just looks nicer. If you have the page content on there now, you can also change the card size so you say you want a small cart sized, which gives you just a bit more of a compressed look. You'll be able to Seymour recipes in your view, because they had just crammed in a bit more. Or you could say you want large, larger getting the these large ones again. And so it's a bit more than a bit more space. This just depends on your preferences. I usually don't. I usually don't play around with those options too much, but the options there if you need to. Now the last option is the fifth image option, which pretty much says, Do you want to image to fit inside the box frame, or do you want it to be in the original dimensions as it was in? Because he's as you see, these images were originally square images, and they were resized by notion to fit in the box. I usually like this fitted for a much better, but again depends on your preferences. Next, really useful feature is the database lock option. So if you click on the top right option menu, you can say database lock. This only works full page databases in this way on what this does is you now won't be able to edit any off the properties and the columns and the order the filters etcetera for your database because their base is locked. And so this allows. It doesn't allow for a new further changes, which could be really helpful if you're working on a product together with the team and you have the structure down, and you only want them to be able to change the content. But you don't want them to mess around with the layout that you created, for example, now again, really, really useful feature. That notion data bales have is the ability to have templates within databases, so you can have a template that you can add into each off your database elements of their of age based pages. So let's look at an example for this. If we click on this drop down menu here on, will check out this test template. This is just attempted that, like a test template where we can add in test template a title. We could pre check or pre fill some of these properties if we wanted to, and we can then add this into a new entries. So if you create a new entry right here, we call this test recipe and we click on it. Scroll down. You'll see the option to add in the test template right here. Eso If you click on this, you'll see that the content that we added to our template appears right here as well, and that the properties will be filled accordingly. So another extremely helpful feature that notion has to offer is the ability to create templates within databases. I'll show you how this works right now, so in a recipes database will just click on this blue drop down and we'll say, create new template. Now we call this our test template, and we will add in some of the properties for our template, So these will be properties that will be filled in for every database entry where we want to import this temple into. I'm sure you will get what I'm saying in a couple of seconds. Just hang with me right now and I'll show you how this works. So as it says appear, it says you're editing a temple in recipes. So this is a database. Templates within there is tempered within this recipes database. Now we just pre select the cuisine and some of the other properties. And then I'll show you what this does when we import template into one of our pages. Would you said they way will add a number just a random number that really matter that much right? And then we'll also added in some bullet points. So would you test one test to test three, and then we'll just create that's risk rating heading for ingredients as this is our recipes that obeys and another heading for instructions. What do you be Instructions. And then we'll create some bullet points to go with this. So just adding something like flower well, think water eggs makes everything together. Now this is obviously not a template that doesn't make that makes much sense, but it's just to demonstrate how this works. So let's go back to our on that we have to. I have to edit it again that they know which was the actual template. Okay, so we'll call is a course test template. And now let's check this out. So we we will create a new database entry right here, and we'll just call this our new recipe. And now we open it up as a page, and if you scroll down, you'll see a couple of options here you'll see press enter to continue with them to page or pick a template, and we want to pick a temporary. In this case, we could go in here and just add in the things that we add into a template each time manually. But what we can do as well is we can just click on the course test template, and now you'll see that all the things that we added into the template will automatically appear in here as well. So we don't have to fill in all these values all the time again. So if you have a set of kind of pre defined values where you know you have to create the same thing over and over again. Have you have to create this kind of entry over and over again? Just use a template, and then you can use it every time if you want to cried similar things. Another really useful example of this is when you have a content calendar and then you just add in templates that content counter database, for example, for a YouTube video outline or a block article outline or a podcast notes Instagram caption instagram post with caption with Hashtags, and you don't have to do that every time. Manu. You created Temple once, and you can import template into any off your database pages. So now we'll come to one of the last creatures that we haven't discussed yet. And this is some of the basic basic calculations that you can do with databases. Will just have a look at one pretty simple example. Andi. I think that should be enough to get the point across. So we're now in my personal work space. Eso If you wonder why all this sounds like gibberish to you, it's because it's German. On duh, you probably don't understand, but it should be enough to get the point across. So this is the habit tracker that I use a routine and stands for habits. And these are the different habits I want to track. I have all these different days I want to track them on. And now this. This is a database, actually. And now what That raises offered to me as a feature is that you can count down here so you can count how many of these checked boxes have been checked. And so I always know how much off the habits I have done. How much have I achieved? How many have I left out based on these percentages that I have done here and has various other use cases for this? But this should be That should be enough to for you change to understand what it actually does and our works. We'll go into a bit more detail on other implementations of this when we get to building advanced projects with the notion. Now that's it for the database theory. In the next video, we'll get right into building actual applications. You will get your own experience working with databases, experimenting with them so that you actually again the confidence to build out your own productivity system with databases on bond. Yeah, hype. So let's keep this going and see in the next video. 9. Project: Creating a meeting notes database: This is your with your first project using notion databases. That's running now. We'll set up for the whole page and we'll go to a meeting of age. There. We were just talking slash again, and then we will a list in line list. We'll call this meeting just getting all these default like slate on. Then we will create you, Which will be now we will go back to this issue and we will add properties now, something that you might notice here is that property don't show up here to the public option. That's because this is in line database and on line databases these properties beneath this . So you think of this and then properties way that thief old tax credit. We will get rid of this. Um, but we will keep the crate, which is probably that you want to have what you want to see on which they notes. So we know what what meeting there for and also at this next property will be the category of topic, and we'll use a select for exactly entries just said, we know doing meeting, meaning that example, and then we can see that shows up with the creation, just like one action now in this example will assume that there's multiple topics or multiple sub categories, that you want to have a meeting, and we just divide this into some of the popular kind of teams that have a usual company. So we'll say we have we have an option for finest fountain. We'll have 14 mark today and for customer service. I wouldn't want to have to add these public specific meeting notes to get again, so we'll pray some camp. It's that we could use if you want to have everything for that specific team in a specific role. So that meeting notes and the way run up for engineering and what will do that is we Will I ? So and what use this? I can will be engineering so pre select this, then it will be automatically filled it once we can call that meeting. Now we have the meeting starts so we'll say a tree and have weak in review, and we highlight that color. Highlight this. That's a orange, and we just have some questions that you ask every kind of talked about every week and every meeting will say how this way go for beaches, they build 50 that we goals. And so you get the idea that this is like the usual spark it have for just down here. And then you don't have to write that every time you want to hold that. Next. We want to include what will happen in the coming weeks. Those upcoming You will get back just for that right now. And I say for teachers well, we built who is responsible for the recommendation. And so again I give you This is just a nice after this and you could create individual templates for each of these different teams in half. So you could have different template for market if they have a meeting that they hold once a week or if they have a meeting, what even issued only have meetings with from the client. Your freelance, you have a client meet up a protocol that follows the same structure, all the planning, and so for every time that you have, you just use the template which all that generates the kind of structure need. And then you fill in the gaps and you have nice, well rounded meeting off So just to show you what's more, if we now play a new meaning, we'll just go straight down to the roundup. Engineering and I received this topic changed nearing and now just name this we d we could round up way 25 and not is every week. And you have a easy way to look back at these notes. And Christie were actually now the future that we haven't looked at yet in this specific database. Easy to look at. So now you see that both of these meeting notes for credit today. But if you actually have a meeting, what we pray new getting, that's that you'd see all means out of time to go back to a certain day and that day to see kind of progress. Oh, are you could use that to look at something that assesses that meeting. Forgot, for example. So this really have a future to really make most of these meetings. That video I'll see in the next one 10. Linked databases: in this video will cover being linked in vases are a future in notion that let you create new instances off an existing database that you have on a completely different page. So, for example, the meeting last year we could create an instance off that are home right, so, well, whole page. And we will create this link device. No, just go out below, have a tracker and then will happen. Slash leaked. And then you see the great we then prompted to choose for us me. And now it's because we have really small calls for have a tracking, just drag, and then you will see meeting full size. So now we can see database that we have on a different page. That right way change properties on this page, which also implies that changed with original database. So it's pretty much just another instance. So this now is a different instance of original database, which you can alter change just like the original. So if we change the topic right here from engineering to let's they find counting, this change will also be applied to original David's. Also, we could create a committee different view on this instance, which wouldn't affect It's just a different instance of it. We can look at the data. How, what? And you can change that in a simple fashion but synchronized with the origin. Let's look at what happens if we actually create a new meeting in this instance. Would you say this is the new way? And you were changed too. Now it's full up back to you know, this and that. On we go to the issue, we'll see that this is a meeting with a couple of marketing has been added to our and just going back to show this. If we go back to our home page and back to our most database, of course, can apply filters today. Well, if he wants to credit instances the whole page with only the big notes that considered the topic that we are working on for you, our engineer, Wilkie, and you want to create it, for instance, on your home page to see only the tasks, the entries that led it to Theo, a specific topic in this engineering Teoh the filters and then add a filter on. Just say that hopping is engineering and now any you know because there's no notes that have the engineering off. But if we go for marketing, no, that's actually actually has again. This would be really powerful using notion with your team, because then you could add a property to the database to assign used a person emotion to certain past data entry, and then you could filter for on that person. So if you have passed database in motion and you have a task assigned to members of the team, you could have a venomous instance link that, in this instance that protests are only the past that certain person has to do so that he or she can use this as our to do lists. All these databases help understand, and that's it. Falling better basis already. I'll see you next year. 11. Notion web clipper: in this video will cover the motion, which is a any tool that helps you to articles whole webpages into your notion. Let's check our first of all, if you haven't insulted the Crow or five extension for the notion weapon yet I have recommended that right now, because it's really, really helpful to on. Otherwise I won't be able to follow along with this way on. We know wants to clip articles into that database because we want to discuss the next meeting. So what we can do is we can just go to tap on, let's search for Wall Street job and then just choose. That's just one about and then we'll go up what it says, the same notion, and then this window you can change the height off. The possible thing is the name of a logical as disliking better. So if you want to have a different here, we could just say about alone must or the meeting, and then we can change the world face. We want to separate tubes. Since I have different workplaces, I choose work. Don't you need to do is to try to change the database. If you have a future. You can such here, and you'll see that we have that same page meeting notes that device just safe and go back to the for meeting right now. You see that you you can actually assign any properties off property values to these articles yet while keeping them. So if you want to enhance the information, you need to do that topping. So in this case may be, and then you can. But this article now as a page with emotion as sub page in your database, and I see that some of the first words from the article even tricked into it. You could have a link if you want to see the full article and reference that meeting if you need to. Now this works the same for pages as well. So now click on article into our database. But we can all students or page. So let's check out again. Article on. We go to Motion Button and say, Oh, and they page. And now we go back to our me nose, and that right here in this article was We'll see the same thing if you want forward, but it's really, really helpful to to get content from Web into the same also works for the mobile world, so you can use your problems looking through a nice article that you want to save for later . You can also save them to your notion pages of databases from your phone So she uses, huh? Do this for a android phone. It's pretty soon for IOS phones, so just follow along way will go to the Wall Street Journal again and just take this. FDA authorizes. What about engine test? And then we will go a pan and crow through the dust and then shaft. For me, it's time to German, but it's just a sham in you. And then you can click notion, and now you see this familiar window that you get classical. You can change where you want to add it to OK, workspace, first workspace and just to home page on then state. And now, if you go back to that, we'll see that we home page. And if we refresh page now, first stage will see that this off page again see linked article, the image and some of the first words as a preview. In the next video, we will combine this feature together with the feature to build a Linus that you can use to can bring personal development for your life. Your database that combines these obstacles billions. All these resource is from various different channels. Millions into one so that you can easily consume them. And you don't get overwhelmed by all the different confidence out. They always have this. Clear this in front of you so you can focus on what you could get an extra do. Same for that next. 12. Project: Create a personal learning list: this will put what we've learned to the test they couldn't old personal. If you're anything like me, then you tend to consume way too much information online off which you don't retain as much as you would like to this kind of learning. This learning database is designed in a way that helps you retain more information by keeping an archive on the things that you learn on you being able to favor them if you like them, so that you can always come back to later on to refresh. So without further ado, let's just get into it. We're now in a notion home page, and we'll go to the blackness that we created on this page, a little creative table in line table, and we will make the page to forward. Also, we don't need the site right now, so let's put that on that we can focus on so we'll name raise less well, and then we can. This is the name of resource to say resource, and I will add some of the properties that we need to make a lot of this really nice federal later so we'll just get a tax. The files and we get started by Adam Favorite property, which is checks if the resource for Maleness favorites. We can always check these on its check them for our favorite later on. Also, we will you the property that four topics as a topic to the resource we have, that is, which just checks. If we actually started reading or going through a resource, we haven't gone through it, get or if we have already finished resource on, they have to come back. So just properties will say no started then We have, uh, working through right now, and we'll have finished. For example, if you have our full that you want to read on some of the ethical. But it was too long, so you finish it. You could assigned the working through our status for it. And then you finish that later. If you have topics, very. But just go with the digital market agents. Web design kind of example will import dummy close later. So let's just go with Theo. You go the minute mark today on, we'll say people see on design and that's it. Any more categories Just leave now when I got but also on social media marketing to do list . Just make it complete, right? Okay, One more property or two more properties, Actually, first have your because we will use the Web clipper to import these resources from various sources. So we need to have a your property to be able to go back to the original homepage I to washing with YouTube video or look at the article later on. Almost is the medium. So if you want to choose a specific medium right now for you to watch a YouTube video book , we can filter for a certain medium and only see resource. Is that our future video book? Well, after school, maybe you also have a study. That's it. Yeah, that's more than enough. We can rearrange. So we put the favorite check box at the start, along with the put the staff actually put status with start and then put the resource name . And then if it's a favorite topic media and then you're so now I kind of clean up day, but did a few changes in there. So feel free to look through if you're not on the same page because I have been some demo content didn't want to have to sit through all of these all these block posts and YouTube videos into their. So just stick around and you'll see how this works. It's not anything that's difficult. It's just that to to demonstrate how these work, how this particular So what? I also did that change the status to started, not started and finished just more concise on the office and for media added people as a source way, have more content and we have several checks. This is just picked a couple of opens articles and resources that I want to check for favorites because now at some or refuse to this database in order to use it in several different ways. So first of all, we will create a list which will be the currently So this is a list off. The resource is that we're currently working on that currently running, and I want to do the thing that we wanted to do. We have to do the film so and this filter will filter for status. Status is started. So these are the working progress things, the things that were actually currently working on, and based on this status, of assigned earlier. We can now beautiful, that so we only have these three. Resource is that we are actually right now, so we don't lose focus and stop the 1000 articles and watch 100 videos instead of just saying on what we've already about you create will be, uh, fake. It's you this another believe you. We will create a battery favorites and then we'll again use a simple filter to filter out the posts and the resources that we want to have. So for our list of favorites, we will choose the favorite check box, and they favour is check. So I only show us the post of resource is for which the favorite check box checked. Therefore, articles, evils, books that are actually our favorites. And that's it already. You could, for example, if you wanted to do more with this Earnest, you could include this This list you as a linked database on your front page, for example, so that you have a quick overview off the things that you're currently working on. The things you're probably trying to learn without having to go through the list. I hope it was helpful to you next 13. Advanced blocks: so, aside from the more basic blocks that notion has to offer. There's also some advanced blocks that might not be perfect for any user, but they can be a real game changer in some use cases. So in this one, you will take a look at some of them on. We'll discover what they do now. We're here on a notion home page again, and we will talk about Tampa. But now so 10 buttons allow you to add a template to a few buttons and true automatically generate new templates each time. So it's basically like base camp, just for mobile. That's way have lotion full page, and we will try this out using a habit that credit earlier video. So just at the Kevin, but below have a truck headache, and now you have got your first way can read this block, yet we don't need this and weak but name call New Week. Basically, what we want to do is you want to have a temple that automatically generates new weeks for us because otherwise we're now using this happened tracker. If you make use is already in my heart, is that once the week's over, and you check up on boxes, you either need to uncheck every single box All you have to keep a seven secret copy off this kind of set up and just copy it in every time. And that's just so much excellent. So in this case, it makes perfect sense to use a 10 to medically generate these templates. Point. Let's use this with these different problems. We have to use a work around because it's not a feature. That notion supports right now, therefore, and go back to home page, scroll down and we will just drag. We will just drag all of this content right into this some age. So now, having trouble with we took on that. Now we'll call this have it again, and we will probably as you see me to rearrange it. So full page. And now we will stop relation process. This might take some time, so I probably speak forward. All right, So now rearranged the habit tracker the way you want it to be. And now we will go back to the home page, back down to the have a trucker, and we think the configure capital sentence off, but without dragging this page into where people drop blocks here and now the work around is to turn this into a headache into a street. And now we have the template set up exactly. So now we can close this stop and we'll have space. That's just crap. But now a new week. This is what magic happens. You'll see that you have a tracker just appeared, and I could feel this out. You can attract habits, why you wanted to. And once a week you could just get rid of all that and this, too, and just say you're weak and you get a new habit drug. The next future that talk about, although isn't got a block is the ability to use the accessible to target date or person with the notion account. So we'll check out if you talk in the accessible anywhere in your notion account, you'll see that this can menu pops up so you will be able to mention think a convention person and also the person mentioning people isn't that interesting right now? Save that for later work, so it's probably not even I don't have to worry about later. So it's just running for you. But when I would just talk about date and pages mentions. If you want to mention a page within your notion that for just use the at symbol and then click on the page so that since we only backup way only have one page because we made all these pages sub pages of our home page. Usually if you're more advanced, say would make these pages that individual pages a sub page and then you could lead to them directly. I'll show you how to do that later. For the difficult you could just drive drop basically here you have to link back in this on your home page. But that's nothing that we're gonna worry about right now. For now, just remember that you could use this accessible on. Then you could mention a page like this. The couple, if you What makes for that example is if you go through our meeting notes site for and we just say that whole right here and now if you click on this, we'll get directed backdrop. This is almost great for interlinked your pages, so if you have a page that is in some way linked to another page when you want people that , for example, weeding through a text to reference another text that you have a notion that this is a great way of linking, I got that text to make that connection between these resource is if this is something that is much, much better, notion that program right where really static constantly link between your content. It's really just these files, and there's not much linking between them. So that's something you should check out. Something that can be helpful for many people now is in the ACA man. You can also mention a date. Well, you could see that there is several pretty fine options today. It's Tuesday, and you could just type in whatever you want. So you type in a specific date. 26 May on. Then this would put a mention for exactly that day. Or if we do that again on just use Mother mentioned we could use one of these fortified options like today. Now, if you click on this again, we'll see that this kind of date menu pops up again, where we can set a reminder. So if you say you want to remind you reminded which will then give us a notification, all updates, cap and also give us a desktop fortifications. If we said that also, you could do, they brain shooting this so you could anything. So we do the 9th March to the 16th of March. So now we have a time range, just a single date. Also, you could use time so specific again, really help for If you want to set, remind us for specific kinds to appear in your notion there for and on your mobile phone on . You can even add the date format times. If you wanted to change, you get to play on that you made clear and then the mention disappears. Now let's get back to you more than flocks. First of all, we have breakfast on this block is something that you will probably not used too often. It basically what it does is if you have multiple pages that nested within each other, you will see navigation. So I don't think the homepage, so that's and go into We haven't read it yet, so let's just the programs again. And now you see that this includes this navigation with young couples well, writing content. Usually, I don't receive needs to do this because you always have the bread crumb litigation at the top on. I don't really see your point that you have to see it twice, so I never use it. But it's that you needed. Just know. Now. Another really helpful block is the cold on. This is especially helpful for developers or engineering teams. That notion for most Marie's possible. It just looks nice. Second of all in support, multiple programming languages, hundreds, probably pretty much any somewhat popular language that you use JavaScript on. If you that's just like here creates, I decided to This is job and has seen, if you know anything about jobs with four method in a way that resembles actually, travel slip on. It also allows you to copy this self directed to cripple if you want to use it in your code . For example, this grateful internal teams that using notion as they're kind of wiki or database knowledge base for casts keeping the designs is that they have a prettified pre design components, quoting components that they want to access a notion this is perfect for that. Now, the last that we talk about is the math and the math block block is something that I don't really have much to talk about. I don't do that. It's a mathematician or do something with Max physics. Then you probably happy that this exists. But what it does you allows you to write formulas to this text. You just you just like some random fall that you that you use. And it kind of knows all the symbols off its LA text specifications. So again, something that won't be necessary for most people but just sort of notes that that's the first year. I hope you enjoy some of these more advanced features again the futures that everyone needs to know about. But for example, if you're a software engineer or if you're a mathematician, I think the last two features especially out the ones that really, really powerful that you couldn't make much, much yourself. So hoping video and I see the next one 14. Advanced integrations: notion also has some really nice third party integrations. Let's have a look at some of them in this video. First of all, we have the Google maps integration and to do this, we just type in Google. In our notion workspace. We'll choose Google Maps and then we just need a link to a Google Maps route. Trigger grips destinations that we want to have. Now, through this, I already opened up a new tab with Google Chrome. So we have Google Maps. Sorry, I will just have in London. Let's just go to London and will say plan the route from where I'm from, which is in Germany, and now we just have to copy the link. Now, you don't see this in this tab since I have a full screen activated, so I'll just get the link from up top and then we'll see each other back in notion. All right, I copied the link or back in notion, and now just paste the Lincoln here. I will say I'm bad map and will take some time, and I will see the map just like we chose it. So from sits and housing, which is from to London, you see the different routes. And if you click on other options or more options, which this is called in English, then you will get to the Google Maps, where you can use normal Google maps features that just like you're used to next up. We also have the option to integrate slack into our notion workspace. We could do this by using the updates tab, and now you can see that you can connect slack channel. You have this option. If you click on this, you will be prompted to log in to yours like account, which we won't do now. So we'll get this error message. But you can do this. You can log into your slack account, and then you can choose which channel you want these updates to get pushed to. And then whenever somebody updates this page, you'll get updated in slack and see what the changes were that were made. Eso you can always be up to date on what happens in your notion pages. Next up we have coding tools, and these are pretty pretty nice. So, for example, we have the code pen option waken. Just embed a coat pen into your notion workspace. Just copy in the link. Also, you can use get up so you can put in get up jests into your notion workspace. This also just works like the code pen version way. Just paste in the link, and then this should work just fine. Next up, we have designed tools. So, for example, framer or envision, you can use these to directly add in these kind of prototypes or other kind of design design sketches or kind of wire frames that you created at an Adam into your notion workspace. For example, if you will work with clients in such a notion workspace, or if you share these with your team inside there, this is a really nice option. That notion gives you two to really enhance and enrich your notion pages. This also works with other tools, like Fig, MMA or Miro or abstract. There's many tools just kind of Check out this this list if you type in slash and go down and you'll see Yeah, you have Sigma abstract envisioned frame, whimsical marrow. New have all these options, which is what will actually get you now because we have other options like type formas Well , you could embed a type form form into your your notion Page. You can also embed a loom recording again. These work by pacing in the links to these individual in this case recordings or, in the case off the platform Do you link to the actual form? And then the notion will handle the rest for you. You can also embed a Spotify playlist or it Spotify song within notion. For this, you will have to use the embed function and then just paste in the link to the artist to the playlist of the album or whatever you want to actually embed inside notion. And lastly, you can also embed tweets with the notion For this you just have to add in the your l to the actual tweet. And then notion will handle the rest for you. I'll actually show you how this works once again. So just type in slash Tweet on now I've pasted linked to a individual tweet in here. Now I'll just like in bed Tweet. And now you'll see this is a tweet from Site Ground, which is my favorite hosting company, by the way. Yeah, and this works with any tweet. Just add a link. And this is what it should look like. All right, that's it. Already for this video. I'll see you the next one. 15. Keyboard shortcuts: lotion for purpose is for you to be able to organize your life, work better and increase productivity. Therefore, in this video, we'll talk about some of the keyboard shortcuts that make working with notion even quicker and sweet. Country up work rose drastically. If you remember the short cut short video, just my papers. There's a lot more than those linked to the pull page with all the people in a resource guide will be also, since I'm going to show you the Windows Show. But the Mac version will always be on the screen so you could use that That's ready. The first show is opening up the search. This works by using control and P, and now you are in the search. You can now type in, for example, meeting notes, and then you could open this up in the meeting of Page. Now, if you want to open up a new tack, which is also pretty much a shock, used control and then and then it will open up in a next short is not a notion short but nice used to make your look. It's a shortcut that allows you to add the turns and smiles anywhere in your page. So to do that, you press the windows key and the thought simple. You get that pop up when you include all these emojis into your notion page just Adam in there and you go start right here. Another quick and nice show is the shop, which is the Dash three dash is to make a underlying make divide because you often uses if you want to structure your content and therefore this is just the quick movement. Now, if you have a text and you want to add a comment with, you could hide it and then use control ship to directly adding to it so we can just write. This is and now we've got the comet at it directly again, just a really small work for improvement. But if you add up together, they really, really, really helpful. Short is the ability to turn any block into another block, but having slash so in our text right here, we'll just slash p, and now we can turn them into anything we want so pretty to pretty much anything you want. So we could make a jealous of that are text is a to do this. What happened to you again? Making on get the idea. This is just another nice one of the truck that I don't use that often. But it can be helpful if you have a use for it is to turn anything into a page. So we have here picks heading in this case, and we can highlight it and use control shape. And 9 20 turned into a page. The next one is since one again. You, If you have a text for that and you want to drive it somewhere, you can use the all he and then if you drive it, you could copy duplicate original block that you that you were driving again for for moving . Nothing much to see that another way to duplicate content is if you are within a block at the moment, just use control D and duplicate something this way. Well, that video again, just some of the shortcuts that I regular bases. There's lots of lots of other shortcuts that I don't find that helpful, but these are ones that I actually really used on a pretty much daily basis. 16. Relations & rollups: in this video, we'll have a look at another really powerful notion database future. We're going to cover the relations and rollup properties that the notion databases are for us in ocean relations can be used to relate to separate databases together. This can really help you to kind of make the connection between different data types. Let's look at an example implementation in this video. So I'm right here in my notion dashboard. This is my own notion, that word. And here we are in my goal setting page now for gold setting. I have a yearly database, and I have a monthly database, and the two are separate databases. But I have connected them together using these relations. So if we go to the main view on, we go through this column so we see if the goal is reached or not. What the goal is the category, the milestones that are related to it, and this is already the relations. So this pulls in. The entries from this monthly goals database will change that to the overview for now as well, and we'll scroll over there and we'll see that it says related yearly gold properties right here. So the weight is pretty much works is you can kind of link this entry or every entry in one off the databases toe any other entry in the other database. And the way I use it is I have a unical, a big yearly goal that I wanted to achieve. And then I have smaller monthly goals that, um, kind of like sub goals and sub tasks. And that's why I have several different monthly goals and quarterly gold's related to one gil ego, which helps me make that connection between my short term efforts on my long term goals. Now let's take a look at how this actually works when we're time to implement it. So I'm here in my goals page. This is one of pages that we created earlier, and I'm going to create two days of bed races in here, so I'll have to table in line databases. This will be my yearly goals, and then I'll have another database that has all my monthly goals call. This monthly goes, and now we're just trying to do one example so I can treat. I'll delete these two right here, just highlight them and them delete Onda. We don't need the files right here and right there. What are those? Well, changes from a multi select to a select and we'll call it area of life that this is pretty much the exact same implementation as the last one with you as well. Area off life. And now we can well, first enter one of our goals. So we'll say Lose five kilograms off. Wait as a fitness goal will choose and I confer that just so that it looks nicer. Well, there's something with food. Just choose a character, right? And then we'll enter some values for this area off life property will say personal. I will say, for example, financial. We'll save business and yeah, well, keep that for now. We don't need any more. These goals will just choose personal for this Onda. We don't even need to change the color right now because just the demonstration. And now we'll create three sub goals that are related to this kind of high level illegal. So we'll say, um, cook for yourself three times a week. Use another Well, quite the same Tikrit here. We don't actually need this because we're not going to work with this. But if you want to create an implementation off the database in the way that I haven't that I just showed you, you would need to do this. But for now, let's just say personal and will enter in the other month. Goes so well say, go to the gym, Jim, uh, let's say two times a week. And then we'll say, for example, stop smoking. Well, stop drinking alcohol makes more sense in its context. Okay, um, we'll give these some Aiken's Just because they look nicer this way, type and food. And just choose the avocado. Go back, have a Jim Aiken. But maybe there is one. Yeah, well, just truth. This one and then stopped drinking alcohol. Report me how Something like a beer. I can Yeah, right. Okay, So now these are three monthly goals that we want to achieve. Or, like, three lower level goals. And we have this big overarching goal for a long time now. We want to relate into each other, so we'll add a property right here, and we'll see related monthly goals, and we'll choose the our relation property. So now this window pops up and you will be asked to select a database that you want to connect to so we'll choose our month Legal's database. Just click, create relation. And now you see that both for the yearly and monthly database we have. This new property called Related Goals will change that. And we'll just say related to illegals. Probably ready dearly goal, because always just one goal. And now we can enter in the related goal. So we'll say for this one. Oops, um, haven't chosen the right property type yet. She is way deleted. The property. That's it. Again, let's just create this related two monthly paraded monthly goals. Again, it's Dr and create this operation again. Again. Choose the monthly goals and there we go. Now we'll delete this one because that's just not needed anymore. On will change this to related yearly gold. Do this and that. Perfect. Okay, now we can add in the related yearly goal for each of these monthly goals, or we could even just add in the red monthly goals in the illegals top. There's no right or wrong way to do this because two way synchronized, so either way, Thebe Properties will look the same afterwards, so we'll just go it. Pick in here and you'll see this pop up again. And now we can choose what off the yearly goal entries we want to relate this month. Legal entry to Since we only have the lose five kilograms of weight, we will choose this and then just leave the needs of tab. And now you see that we have credit this relation. Now we'll use this for the dream as well and for the stop drinking alcohol as well. And now you'll see how each of these will appear in the Red Monthly goals tab up here. So now every time we click on our yearly goal, we'll see what monthly or lower level goals are related to this on what we need to achieve first, to have this long term goal achieved. Now, if you want to do task management with notion, which is also something that notions built for, there's the option to relate a database to it itself, which is really helpful if you want to have a parent element, which then has various sub elements and sub tasks, but they are in the same database. So in this case, we pretty much have this like high level tasks, and then we have these lower level tasks. But they are in a separate database, and there's a way to do this within the same database, to create this parent child relationship between your to do's and goals and I'll show you do is right now. So I want to achieve this. You just create a new relation. Well, just click on this and then you'll choose the same database at that you're currently in. So in this case, the yearly goals database. Now there's two ways to do this. You can either create a new property, which then sinks in both ways, or you could use the same property if you don't want any sinking between them. And if you only want you could see the parent child relationship, I'll just show you what the difference is by creating both of them. One. So you see what actually changes. So first will create a new property, and then they create relations, and now you'll see how that have appeared to columns. So this is because we now have this two way sinking, and if we enter one of these entries in here. We'll see how it thinks in both ways. Well, I'll just show you how this works. Bike reading some more entries and then you'll see the difference between the two. So would say as another goal, we want to save 5000 euros. This you well, just at ICANN for this. Let's just say money, euros, and we'll say Area of lives financial. And then we will add a, uh, relation here. This now doesn't make that much sense because, of course, these goals are actually related to each other. But now you see that this is both shown in this column and also in the other calm because if you have this relation to the own database to the same database that you actually in, if you're really database to itself, you have this the kind of relationship that you would have between two databases but just within one. And that's because we chose this two way thinking. I'm gonna show you how it actually works. If you don't act with the two ways thinking for that, I'll just delete these two properties, and they the 2nd 1 appears automatically because they were related to each other and will create a new relation again. We'll choose the yearly goals and will only say Use the same property. Now we can add in a relation for these items. For example, let's say we want to save the safe 5000 euros this year. Gold to the lose five kilogram off weight goal, which doesn't make any sense. But let's just assume that so we go through the safe 5000 years this year column and will relates this through the lose five kilograms of weight. Now you see that now there's no two way relationship, so you don't see that this that these two are related within this. Lose five kilograms of weight column off road, but you see it in this column. Thea, The time you were able to see this in both columns. Andi. That's pretty much the difference. Now let's get to database roll ups. This is something closely related to relations because it builds on top of relations to perform mathematical operations between these databases to add up properties and much more to make it easier for you to understand. I'll just show you how this works, using the same goals database that we just used. We'll delete this relationship with itself because we don't need this right now and we'll add a new property that is a relation a roll up and we'll name it. Um, progress. No, What we want to do is we want to track how much in percentage of our goals we have achieved . So in our case, we want to lose five kilograms of weight, and we have these kind of three lower level goals that we need to achieve. So we want to see if we finish for you finished one of them, we would see that we have a 33% goal completion rate. This is nice to kind of visualize the progress that we made to have this kind of as a motivation to keep going. So what we need to do in order to be able to achieve this is we'll go into our month legals database and will add a new property and will say, finished question Mark and we want this to be a cheque books. I will put this at the beginning and make it a bit smaller. And we'll just check one of these two using the example right now. So now we can go to this progress roll up will select an existing relation. So the relation to the monthly gold celebrates down here and we want the property to be finished. And the calculation. We want to be percent checked. And now you see, the automatically calculates the percentage off tasks that we actually checked in our monthly goals database that are related to this goal. So we can use this to precisely track how we're going along with the goals. Are we completing them, or are we not on track to reach our goals this year? Andi. Now, if you let's just make this example even more clear. If we check the 2nd 1 you'll see how it updates to 66.7%. If I check all three of them, I'll have 100% goal completion rate. And this is basically how these roll UPS works. You can perform these basic kind of operations on properties, that you have another database and on relations to visualize data on to make a life even easier. That's it already for database relations and roll ups. I'll see you in the next video 17. Notion formulas: in this video Bill Cohen notion formulas Notion formulas are one of the most advanced features notion has to offer, and they are a bit more niche as well, so you probably don't need them. But they can definitely be really, really, really helpful. Basically, it's about performing mathematical and programmatic ALS operations on your database, properties and database data. Now again, you don't need this, especially if you're just starting out. So have a look at it and see if it's something that you maybe see a usage in. And if not, then you could skip this part. But if you're, for example, a bit into programming, if you have an understanding of JavaScript or other programming languages, then this will be really, really easy for you. So let's just get started. Also, if you're familiar with Google Sheets or Microsoft Excel, then you will probably be quite comfortable with these operations. I'll show you an example of this works right now, So in our notion dashboard, let's just create a new page on. We'll open up that page and we'll call it notion formulas. Now we'll create a table database in line Table data is and will make this full with Paige , and I can delete these calls that need them, and we'll just call this notion example one. So let's let's just think of an example where we could use notion followers. So we said, Let's say we have a project where we have a deadline and we want to see how many days we still have left until this deadline is over. So how many days we still have until we have to finish, the project will call this just launch company website and we will add a date to it. So this is deadline, and we'll just say this is in two weeks. So now it comes to the formulas part. Well, just read a new property that's called Days left, and we will add a formula for this now, since I haven't explained to you the basic technologies off thes notion formulas, I'll just enter the formula, for you will learn later how this actually works. All right, so now I credit this formula. As you see, this is the formula we're using and click done. We'll see that now we have still 13 days left until our deadline expires. You learn how this works in the short time, but just so that you know how notion formulas actually work and what they could do. So now let's talk about the basic terminology off these notion formulas. We'll create a new formula feel for this. We don't need to name it because it's just for demonstration purposes and we'll click on this. Now you see here that there's this scroll down menu with some operators constant properties , etcetera will get Windows one by one. So don't worry the 1st 1 the first type of basic elements that notion formulas has is these properties. Now, this just uses the properties that we have in our database. So in our case, the name, the deadline and the other formula we created that calculates how many days are still left to finish the project. So in notion, they are written in the form off prop, and then you have braces and then the property name. So, for example, if you wanted to mention or use the deadline property in this formula, you see right here the syntax would be prop and then braces. And then the deadline in quotation marks. If we now just use one of these formulas. Let's say that that line Onda, we will just use this as our whole value and click done. You'll see that it just returns the value that this kind of property has for each of the columns. So this is how we could use this in a formula. Let's go back to reading the formula and let's talk about the next kind of basic element. And these are constants. So we have a e pi true and false, true and false address. They just returned, true or false as a value and can be used for these logical operations where one case would be true and another case would be false. In depending on if it's true or false, you can then have the formula, perform various calculations and do various things. E and pi are just mathematical constants. So if he actually want to use these notion formulas in any mathematical or a bit more complex, enough medical operations like you would be able to in, for example, excel, then this is something that might be interesting to you. Now, back to this true and false variable, they are actually displayed as check boxes so they output a check box to the formula field . That's the others work. So if you just type in true, you see that the column automatically evaluates to this checked checkbooks. If we type in false, you'll see that the check box isn't checked. This is the really helpful feature that we could use later to filter through our database. Now the next basic kind of term that we have to understand for notion formulas are the notion formula operators. So these are down here, and they are things like more complex things, like if statements but also something like subtract, multiply, etcetera. So we could use these for basic mathematical operations within our notion. Databases. Eso You could just say four plus four and you'll see how is evaluates to eight. He would replace this by by multiplying the tune, and now you have 16 as your value. Now there's multiple ways off writing down these properties. You could, for example, use these actual kind of formulas so you could say add. And then he could type in these numbers into the parentheses, so just type in 13 close this and now this is added up again. This is pretty much the same as saying one plus three. The if statement operator is also really powerful tool in notion formulas. I'll show you how to use this right now, so we'll just three the content of this formula on. We will rename it. We'll just call it stabs Now. What we want to do with this is we want to display a certain value, depending on if the projects overdue or if it's not overdo yet. So what we have to use for this is the if statement, and this encompasses the whole statement. So now what we want to do is we want to display certain sentences based on if the deadline is already overdue or if it's not over yet. So what we have to do for this is we'll use the if statement and we'll use some of the terms that you might not know yet. But you will definitely go over these letters well, so well. First say if and then we'll say that line is bigger or equal to now and now is a a function in in these notion formulas that will go over later. Then we will display a certain value so we'll display. If this true, this is true. That will just say overdue and if not, will say there's still time left. We'll close it off. And why do we do this? Well, because if you look at the operator, the operator and you'll see the syntax, how it works, you have this if statement right here, then you have a Boolean which pretty much means a statement that can evaluate your true or false and then you have the positive value and the negative value. So in our case, this is our bullion statement. We're checking if the property off deadline, which is 24th of May in this case, is bigger or equal to now and now the function now just takes the actual current time and then this This is evaluated. So this thing is comparison. Operator says equal to or larger, larger, equal to, and this is our positive value and this is our negative value. So now if you click on done, we should see it evaluate to overdo. No, sorry, my mistake. I changed around the comparison operator. It should be this way because the product isn't over yet. So the positive case would be if it's overdue. But since we still have time left means to change it around on our only. If the time of now is further in the future than the deadline, then of course, we want to say that it is overdue. So now if you kick done, we'll see here that we still have 13 days left and this evaluates to false. Therefore it displays. There's still time left now we've not covered yet. Our notion functions and nursing formula functions. We use them in our example, but let's just take a look at some of them. So if you scroll down, you will come to this. Functions section and functions are pretty much a pre defined set off instructions that will be executed if you use them in your formula. For example, we have the length formula, and the length formula will determine the length off the input that you give it. So, for example, in this example, it says had a world and you see that this example is 11 characters long because these space in between gets evaluated as one character as well. Another function that you could use is, for example, the now function so the now function just gives you back the exact current time. We can just check that in an another top. That's just say, text. Let's change to formula and we'll just add the now property. Just take done and you'll see that today is May 10th off 2020 at 11:45 a.m. Or another function that you could use is the date between function. This is what we use actually earlier to determine how many days are still left. So I'll show you in this example how this works. We choose the date between function. We don't need the now function for now. And now we can choose a kind of a date range that we want to calculate the difference between. So for this last example, we used the deadline property, which is 24th of May. I will just click on deadline. And if you look at the the date between function, you'll see that it takes a first state, a second date and then the unit that you want to have this calculated in so you could display the difference in years, in quarters, in months, in weeks, in days, hours, and so on. So for now we will just replicate what we did there with the days left formula and will say , calculated the time between the deadline and now and want this calculation to be performed in days. So we have to add, in this days value at the end, close it off, and now you see that it displays the same exact value. If you change deadline to, for example, one week later, we'll see 20 right there, as you see in this example. So again, I know this is kind of complicated. If you're not into programming, this might just look like a lot of gibberish to you. But I can assure you that it's not that difficult if you just try to rep ahead around it and also notion gifts. It is really nice overview that you can consult whenever you have something that you can figure out or you just don't know if it's possible. Just look at these thes documentations right there. You'll always be able to see how they actually work in the documentation. Uh, so, yeah, we should check it out on bond. Now we'll get to some more advanced examples of how notion formulas can be used to perform high level operations and to really maximize their benefits. Now, of course, there is a lot to these functions and formulas on. You can do a whole lot with them. We can't cover every function, every property, every constant. But if you want to get even more in depth, I'll link a couple off resource. Is that out there for you in the description in our resource guide? This next example is really helpful if you have a serum. So customer relationship management tool with the notion. How it will work is we will have a database with potential clients or clients that we already have, and we want to contact them on a regular basis, for example, because they are leads and we want to close the sale. So we contact them by phone. Let's say every two weeks or every 30 days until we actually close that deal Onda. We will then check using notion formulas if 30 days have passed since we lost contact them on. So if the contact is overdue, so let's just start by adding and a database so we'll do a table for making in line. I will call it notion example, and for the name will just say client or plant slash lead. And we'll just add in, um, client one lead one. Let's say lead to And this will be the companies that we want to actually follow up with. Now we need a date property, which will be We'll call this last contacted, and this is pretty much what we will have to do manually. So we will have to enter in a date for this each time that we actually called the person. So we'll check this and refresh this each time. And since that today's that June 1st. So let's just say we'll choose some random dates for this just to make a point clear will choose one date in April on another one. Let's say mid May again. Yeah, so the next one will be the overdue property with a question mark, and this will be a formula. And now this is where we'll calculate have 30 days passed since we last contacted, contacted, declined, or the lead. And if so, this will value to true, and this will be checked. So So we see. Okay, we need to contact these people that actually have this property checked? The way we'll do this is by using the date at property they add function on. We will add together the last contacted property and the well add 30 days to this. So I will say 30 and then days closes off. I mean, one more princesses there and then we'll say is smaller than no. And if this is true, so if we can add 30 days to the last contacted date, then on we're still and were smaller than the now date, then it's in the past. So this means it's over. Do you just have to kind of, um, change the way you think about this? Because you have to kind of make it understandable for these formulas for this logic so that the computer and the formula actually understands what you're trying to do. But you get the hang of this. So we're now just put in the now function closest off and say done. And now you see what we got as a result. So, for example, for the May 14th 1 we're not over because today is the first of June. And if we added 30 days to May 14th. We'll be on June 14th which isn't yet, so we still have time to complete this task. On the other hand, the tap the last contacted all the clients we last contacted in April should have been already contacted in May least until the 16th of May. But since we haven't done this yet, this formula knows this and checks this of a do box on what we now canoe. This is You'll see this in the next video where we actually build a CRM tool. We can use this to filter for all of the clients where we all of the leads where we need to follow up with them, where we are overdue when it comes to contacting them again and really pushing to get that sale. So this is where this will be really, really useful now for our next advanced use case will build a product management toe walk, which will help you track the progress off your project. Visually, as an example will use a Web design business, so we'll create a new table which will be in line again. I will call his Web design Web design process and basically what we want to do is we want to track the progress that we have with different clients. So we'll just say, Client one, we'll have five stages so we'll just do five example Example. Clients could say Klein to It's a client three client for and then lastly, client five. Now next, we need the status, so we'll have five different statuses. Um, and we'll choose a select for this so we'll have the first We have the proposal. Accepted. Stage will have a first draft stage. We will have a first, uh, first full version called this. Then we'll have the final version and then we'll say, approved and finished right. And now we just want to change the colors of those just to make it look more like like the wage look. So make it more of a succession so that the last one is green so it gets as the product gets completed. The color changes towards this green kind of finished on checked off state. It's a yellow for this. Let's say orange here, right? And that's what actually will always need. Now the last is the world's progress, and this will be our formula. Now we don't want to write the formula in here because ah, formula would get pretty long on this tiny editor. If we actually click on this here, just can get overwhelming and kind of it can get messy really quick. So what I actually actually suggest to do is just go down here and adding a code block and type out your formula in this cold block. And then there's copy. Paste it into your actual notion notion field, because that just has gives you a better overview off what you're actually trying to do. And it's not this kind of messy, tiny field I want to put in this long, long formula. No, basically, what we want to do is we want to assign a visual state toe. All of these different tax on. What will use for this is the if logic, so we'll just go into this menu real quick. We'll use the if statement, and then we'll say, if this, if the value is for example, proposal accepted, then we want to display a certain a certain visual representation of that and then otherwise, if it's for example, first draft, then we want to display a different visualization for this. So basically, we want to use the if statement and then we'll say if prop what will change the name of this probably actually would say status. And now we can say if prop is status. If if the if the property status. Sorry I said that wrong. If the probably status equals two proposal accepted. This is what we actually want to check. If this is the case, then we want to display a certain value and otherwise we want to display a different value . So in this case, we would want to display the value off. Let's use this one here, use the windows emojis and will say Not this way. We want it to be like, This is this is the first stage will say this is 20% progress and this is what we want to display Now this will do the exact same thing for all of the other ones. And then I'll show you how this looks in the progress formula, actually, So next will say, if we can actually just copy paste this because it's just it just makes more sense. It's quicker, Um, and we'll just change around the values. So we'll say if prop status equals hoops over. Actually forgot this right there, which is important. Um, I will say if props, that is his first draft. Then we want this to be not 20% but we wanted to be 40%. And so on is a comma here through the same for the first full version. Actually. Leave us their first full version. And now we want to say it's 60% and you get the idea. I'll just I skipped to the three end, but just fill in the same for the final version and he approved and finished. All right, now that we've done this, we just need to finish this off. So we need one more value for when none of these are actually true. And we'll just put this to empty space pretty much so. Nothing. Onda, we need to close off all of these brackets, so we need five pairs off. Not Paris, but five parentheses. Okay, so now we can actually copy and paste this back into our formula. But one thing we forgot, which is something I always forget is to put put parentheses around these values as well because otherwise we will get a big, big era. Put this in there, Andi. Then one more thing we'll do is we'll actually, just to be safe will copy and paste this into our chrome. Such bob didn't mean to do that. Because sometimes the notion formula edge A has some problems with white space on we're not Well, why don't you? Sometimes what I actually want to say is sometimes the notion former editor has problems understanding these white spaces and that can cause errors. So this is why we'll put in like this. And now we'll see what this is what it was was actually supposed to do. So now, for each of these statuses, we have a different kind of progress bar. And now if we change this to title murder, for example, will have 80% different was the first draft. It would be 40% or for the full version will be 60% for example. And this is just a nice visual way off tracking the progress off your or, for example, projects that you have. As I said, Web design is a great example for this Pretty much any other project that you want to work on. This is just a nice, more visual way of seeing. How you doing with those? All right, that's it for this video in the next video will actually cover the insertion serum, So we'll build this year. I'm using these formulas tools that we just talked about and we'll actually use some of the things that were tested out. Like this overdue formula that we just used a couple of minutes ago will use that in there as well. So staging for that on I see in the next video. 18. Project: Building an advanced CRM tool: in this video will build an advanced CRM tool that you can use either as a freelancer to manage your clients and your leads. Or when you're working in sales team in your business just to have an overview off the sales in the business that's coming in and much more, I'll just show you but what we're going to build. So this will be the status board. You will have thes different statuses where you can move these leads around. Once they close, you can move them into the closed column or in the last column. If you lost the sale, then we have a another column or another view, which is the outreach, overdue view. This is why you will see whether the client has to be contacted again. This is what we did in the last video when we talked about the notion formulas. It's you just use a similar calculation to do this, and then we have the by account owner view, so this categorizes thes potential leads by person. So when you work in a team, you can use this to see who is working on which sales, who is bringing in the sales and much more. Also, we have the monthly revenue view. This is where you will see when you made sales based on some calculations. Will do with formulas how much sales you made in any given month. The last few then, will be the table view. This will be the view where we have all our properties lined up. What it also see something like email and phone and everything else that we need to know in other to perform our calculations. So let's start by going to our notion home page and going to CRM and then creating a new database. We want this to be a table database, and we'll make this full with would close this down for now because we don't need it and we can work with this extra space so we'll call it crm tooled. Then we have the potential client we'll call this company. Makes more sense company. Will you need these to? You don't need, um, Then we'll have our contact person so we'll just have the name of this person right here in this column, and we'll have a status which will be a select value. We will have a priority, which will be a select value as well. This will have a higher priority. We will have a medium priority and we'll have a low priority. There we go now will also add in the status select so we'll have proposal with first of all will have lied. Then we'll have proposal. We'll have negotiation. We will have closed and who lost as five categories will change the color coding around the bed because closed makes more sense in green and will make lead a blue color and will make lost. Great. And there we go. OK, now we'll add some more properties will add the account owner. So this is the person on our team that is in charge. You will not need this if you only have if you're a one man show if you're a freelancer. But if you're working your team, this can be really helpful and it is necessary to create by assigning view later where we can see the's leads kind of split up into groups assigned to each of the different sales. Team members that we have will also include a column that says estimated value and this will be a number so of course, as with value and will use this later in order to calculate are estimated revenue. And we'll choose dollars for this. And that's it for this one. Now we'll have some more columns will say that email. This will just be the email address off the lead that we have will have phone number. This will be a phone number what, right here And then, as the last column will have, uh, last contacted again, these are properties that we need in order to calculate other values later using formulas and roll ups. So just think moved me for a little bit will fill out this table, and we'll use this. Interviews in the bid laid will fill out these tables and will use these in our views in a couple of minutes. Now we'll just have some more formulas and some more properties that will add which will be the expected closed eight. So this is what we need for Advanced formulas will have the expected revenue for the current month, and we'll just add two more properties, one of them being the clothing month, which will be a select value because we want to actually know in which month we closed the deal that this will be a select. It will be the closing date and this is to calculate the revenue for each month. Later on. I will just rearrange them because they, in all that we want him to be in will have this as the last one will have the expected close right here. Then we have yet that should work out at the front. Let's make the contact person the first thing and the status, but smaller just so that we can see how big it doesn't get. We don't want to waste any space because we have limited space available. What would you probably is? Just shorten this for just same medium. This will know that it's me and priority Well, for low. Just to make this formula bit more compact. This property, because way have so many properties that we don't want to waste space. Now we'll make this small as well See, for the account owner just put in my name and make this more as well even address. Well, just oh, do this later asked contact that can be much smaller. Expected close well closing date should be caught clothing month, right? And we'll add the properties for this as well. So we'll have January and we'll have February will have March, April and so on and so forth. You get the idea. Well, just speed this up so that you don't have to watch all of it. Now I'll just make these all in the same color because we have lots of other colors in these previous properties and we just don't want it to be that Messi's that will use just this gray for these property values. Now we'll just add in some arbitrary names and values for this whole serum tool so that you actually see how it might work if we have data in it. So that's just add This will speed this up a swell because you won't need to see all of this template data get put in. But you could just follow along later. You don't have to put that in all as well because, as I said, it's just for demonstration purposes. All right now we added in a lot of template data. Now we want to add one more property, which will be the outreach of a new property which is the same as we had in our last video . Again, it will be a formula that checks when we have to reach out to this individual lied again by doing a calculation, so we'll do this right now. We'll have the user formula, will have the last contacted property and will use the way have to use the date at first. So, they add, then we use the last contacted property. Then we add 14 days to this because we want, let's say, 21. Let's say 20 will contact our leads every 21 days every three weeks. So we have to say days after this and now we'll compare this to the current time and again , if this is bigger than the current time, then there's still time left. And if it's small in the current time, then the outreach is overdue. So in order to do this, we use the comparison operator and then the now function, and this then checks. If three last contacted date plus 21 days is in the future in the past, and if it's in the future that we still have time left, that this is false and if it's true. And the time is in the past and we have with this kind of deadline is overdue. Then it will give it as a check Mark. So you see that we have this last contacted column right here and for the one that says April 10th which is about a month ago. It says that the outreaches over to you for this one will make that a bit smaller Now will fill out the last property in our database, which is the expected revenue. And this is a formula again. It's a bit more complicated. Basically, what we want to do is we want to check if the expected closed aid is within the current month. And if it is, then we want to output the expected value estimated value to this field to then later. Addie's up for the current month, so I'll show you how to do this. Right now, we'll click on the formula. In order to do this, we need to use an if statement, so we'll have if and now what we want to do is we want to find out the month that this sale is in, so we have to use this expected, closed eight, and we have to find out what month this each of these entries has. So we'll say if months and the fullest we used the function month, which gives us back the current month based on the data we give it if a month off prop and we'll choose the expected close well, to close this down equals mother off now closes again. We have to use to equal signs. Otherwise this doesn't work. And now it's senses. And if said when, you now have to provide the positive case and then after that, the negative case. So if this evaluates to true, then we want to display that you want to output the value off the expected that the estimated value property that we have earlier so we'll just choose prop was choose the estimated property value from down here and if it's not true, will just displace zero, and we'll close this off. And so what happens is this formula finds out if the expected close date is within the current month and if it is, then it takes the value off the estimated value and outputs it so that we can later at this up to always see what the estimated sales in this month will be. We'll click on done, and you'll see that for the months where we have for the expected close dates that are within May that we have made. Right now this gets put out, we have to change this to a dollar version as well. But then you'll see that this value doesn't develop true because again they expected close . It is not different this month, but the next month and now we can't even calculate this. We can say some. And now this value is actually the total estimated revenue that we make in the next month on the current month. Now we're gonna add some more views to our CRM tool to add some extra functionality. So first will use a view called Outreach Over There. This will be a list, and it will just be it will simply show us which clients and potential clients we still need to reach out to. So we'll play filter. I just use a normal filter where the outreach of a do formula is checked and this would only shows those those potential customers will add in some more properties as well. So we'll add in. The company will add in the Let's say, the expected. Where's it will Adam? The estimated value on duh. Yep, that's it. So we could we could add even more properties. But we want us to be clean. What? You only see. Okay, which kinds do we have to reach out to? And what would be the What would they be worth? What's the priority level off them? So we know who we have to target First, we can actually add a sort if we want to. So we could say way could put in the priority and make this sending troops. Yeah, like this. And then we see that the high priority is preferred over the low one. Pretty much just easy fix to make the best of the highest priority. Customers appeared the top. OK, our next view will be the by assigning you, and this will be a board again. We'll create this and we'll want to group by account owner, and we'll hire the now account owner column and we'll add in more property. So this is we'll just show us who is working on which customers, which leads on who is bringing in sales, for example, what the status is of them. Our. So you could, for example, you could compare how effective different members of your sales team are using are actually doing sales. How meant much revenue they are bringing in and much more like this. So we'll just add in. Some properties will say the company will add in the estimated value will add in the status and the priority level. And yeah, that's it. So eso we see some more information about them, for example, you could see Okay, this is a high priority customer. Apple receipts already closed, so he or she has already worked on this. We could also play a filter to not show the closed the close deals. So we only see these, the deals or the clients that are actually being worked on right now. But that's up to you. It's just easy by you just go to filter and then you could add a filter and say the status is is not in this case, it's it's not closed. So if it's not closed, it's only shown here. We'll see how these just disappeared on. Uh, yeah, you could easily get a Dallas. Well, I will also add in a status sport, which shows us kind of the status of all of the leads in a pipeline, for example, which will it can be a board. We call it status board and make it aboard as well. And we'll move this to the top because this will be the most important one. The table. You could go to the bottom because we actually don't really need to use this. Um and well, hi, this Well, actually, we need to group right by a status and will hide the no status column. And now you see how these are Pretty much you can move the leads from one stage to the next one, so you could put in all your needs here. And once you send out a proposal, you put the lead in the proposal column. Once you are in the negotiation phase, it can put in here, and then you can put them in the lost or close category. Actually, what we want to do is we want to hide the lost close column because these will build up over time. So each time you add some you. These will end up in here. The clients will either be lost or closed, and if they end up in there, this will just get clogged. And you will have, like 1000 entries in there. And since we don't want to have that week, Okun just click on Theis menu and then just like hide. And then we can always just drag these into here. So what if we now said, OK, thats client is closed. We just drag it in the closed column and you'll see that this updates to two and we have these two in here the same way. You can also drive this back into the negotiation phase, for example, but it just makes for a cleaner look and you just see these actual stages that are important for your sales. Now we'll just change around some of the properties. So, for example, we actually don't need the property, the status property in here, because we see it up top. So this is just unnecessary. Eso will remove the status, but we'll add in the priority on. We will also add in the estimate really have already. But way could also add in the let's say the last contact just so that we have more of the information that we need, unless the information that we actually don't want to see in this view and this is how you can always kind of adapt different views to abuse and different work flows. For example, this would be something you would use when you want a quick overview over your whole sale. Sales final your wholesales Pipe your pipeline on, for example, something like the by assigning if you will be something that you would rather use when you are checking. What? Who, if you're sales members or 30 members, is doing what and the outrage over to you would be used by a sales team to find out who they need to contact next. Lastly, we'll have another board view, and this will be the monthly revenue, and this will be based on some of the things that we actually calculated earlier. So we'll group by closing month. We'll hide this, and now we'll see that these will be assigned. So since we assigned in a table view, have look at this. If you go back here, you see that we assigned a expected closed eight or late? Well, that's not what we're worried about right now, but the closing month. So if we actually close the customer, if it the deals actually closed, we will get this way. Can enter in the actual month for this. And then when we actually know in which month we close the sale, the customer will then be added to the corresponding month in a monthly revenue chart. And then we can just change this to calculate the sum off the, uh estimated value. And then we'll see that it just adds these estimated values together to calculate on approximate number for the revenue in that month that came through these sales. So, for example, if I move this over to May, you'll see that the number appear updates because then this sale will also be accounted for in May. So let's have a look at this, and now you see that it updates to more than $10,000 this is pretty much a quick way to see how much revenue generated through these sales in each month. You just have to add in the closing months, in the table view or in any other view, and then this should work just fine. That's it for this video already. I hope you had fun doing this and building this kind of serum tool announced you in the next video. 19. Sharing options & working with guests: in this video, we'll talk about the sharing options that notion gives. You would talk about how we can work together with guests and what the difference between team members and guests actually is. Let's get started. So first of all, we'll have a look at the sharing options within notion. You'll find these at the top of your screen if you click on share now, first of all, you could give public access to your notion page. So if you think if you activate this, the page will be publicly accessible by anybody. What you can change is if they are allowed to only read it if they are allowed to comment as well, or if the access is disabled altogether. Also, you can change if you want to, if you want this to appear in search engines. So if you wanted to be inexorable by such engines or not, and also if people can duplicate the page into their own notion account or if you don't want to allow this usually if you're just trying to invite a collaborator, this is not the way you would go about. Doing this. A better way is to invite a person This is a guest member, so it's not a member off your team. Members of your team have access to all workspace pages all the time, and they are paid, so you have to pay for them. But guests are completely free, and you can just invite them by clicking. Invite a person. Now you just have to enter the email address or name if they already have notion, and then you can change if you want them to have full access. If you want them to be able to edit the page, if you want them to be able to comment on the page to read it, etcetera. After that you just like an invite and then the person will be invited into your workspace . Now, keep in mind that this invitational and these permission levels always go down. So if you invite somebody to your home page like this one, what here they will automatically gain the same access level for all of the pages that are below this page. All this sub pages So somebody has full edit access to your home page will also be able to edit your content calendar, your meeting notes and everything else that is nested inside your home page. If you are on the paid notion plan, you'll also see the option to share this with your workspace. This'd is We can't control is right here because it's a lower level page, and the access control is is controlled by a high level page. But generally speaking, you can turn off on the access to your workspace if you work with others in the team. But usually having these guests in your workspace should be more than enough. If you just need to collaborate on some specific projects, remember that they function pretty much as a team member. But you have to give them access to each page individually. But you will be still able to add them in as a user in for global database, and you can also mention them in using the at mentions and pretty much anything else that you normally use. A. A normal team member would be able to do the next video. We'll actually discuss what happens if you have a team and you don't just use this guest access for people to join in on a specific project, but what you can do if you have a larger organization and you want to structure your account for maximum efficiency 20. Notion team permissions: in this video, we'll talk a bit more about teams within notion and these specific controls that teams have access to in order to manage and organize the organizations. So basically, when it comes to notion, teams have usually members and they have at Mons, abdomens can change settings on address billing settings. Members can just access their pages so they can access that private pages and the pages that they have within their workspace. Each member has its own private pages, and they all share the workspace pages. Now what they can't do is edit the access levels, so adamant on the other side they can. They can edit access levels two pages. They can hide pages from a certain type from certain users. They can give permissions to other users, and also they can added the billing settings and overall workspace settings. Now it's always a common sense that you should keep the amount of admits that you have in your workspace as low as possible because it just reduces the amount of risks that you have . Usually what should be enough to have one or two admin? If you have large organizations that you need a couple more each team me. That could be an admin, for example. But usually you wouldn't need much more than this. Now again, each workspace member has its own workspace that is shared between everybody in the workplace, and they have their own private pages. Now they can just drag the private pages into the workspace like this. There is pretty easy now, another really powerful feature. That notion office to you, if you use notion with your team, is the ability to great create user groups. So if you go to settings and members ever see I am using this solo, but I have a couple of craters that a couple of guests in him. But if I had more work space members, I could go to groups. I could create a group and, for example, say Marketing Team. And then I could add a couple of my members to this marketing team and give specific access to a couple of pages that are related to the marketing team to only this team. So I could say for any given page, the marketing team has the admin level access they have. They can edit everything on, and maybe the engineering team only has viewing access. They can only see the page, but they can't actually do anything with it to kind of prevent that. There are any unnecessary and unwanted changes made to the page when it comes to this. That is a really good video by notion itself on YouTube, which I will link in the notion in the course Resource is now, let's look at some more options. That notion gives to its team users on, especially the admin of these teams. So let's go to settings members on Let's Go to Security and Samel and look at these settings right here. Okay, so what you could do is you can prevent members from sharing pages publicly. So let's say that you have a company and you have some confidential documents within notion that you want don't want to be shared publicly on. You don't want this to ever happen. So what you could do is you can prevent any member from sharing pages publicly. Eso that this will not happen. Also, you could prevent people from inviting guests because guests also would be able to look into your notion set up in your notion data. And if you have fear that somebody might get actually to information that is not made for him, but it's not meant to be in their hands. You can disable this well. Also, you can disable moving pages to other workspaces. This is the future. That notion has as well where you could. If you have different work spaces, you could move your private pages to another workspace. But this option disabled that. For example, one of your team members put created something while he was at the company, and then he wanted to move on anymore to keep this secret or whatever and take it with it with him to his next job. This might be a case where you would want to prevent this, and the same goes for disabling the export option. This just disabled the option to download any of the data from notion. The last option I want to cover is the auto joined function for bigger teams. So if you run notion through your domain and you have a company that has a specific domain , you can clear that remains that of anybody who has an email with that domain. For example, if you would choose if Google would where to use notion, you could have anybody that has a at Google address be able to join the workspace without any hassles without anybody having to manually add them to the to the workspace, which is an option that's probably most useful for companies that have actually hundreds and thousands of notion users on that one, too, prevent the hassle they have with adding each of them individually. That's it for this video. In the next video, we'll look at some tips and tricks you can use to make working within notion with your team easier and better See you in the next one. 21. Tips for teams using Notion: in this video, I wanted to share with you some of the tips and tricks I used to work with other people within notion. I personally don't use notion with a team, but I have worked with many guests with a notion on the kind of same rules. Apply their eso without foot or do let's get into it. The first tip is to keep the amount of work spaces that you have low. Usually if you have one company, one workspace is completely enough. Having multiple workspaces only makes sense if you run two businesses that are completely unrelated to each other or if you have notion at in your work space, if you have notions at work and you want to have a completely separate private space where you can just put in your private information besides from that, having multiple workspaces just makes things way more complicated. And it's also way more expensive than just having one singular workspace where all of your members are in. What I would suggest is instead of using workspaces to organize your company, use the team levels, the group's user groups with a notion for teams and use this to organize these excess levels integrate separate kind of areas with the notion that these separate teams have access to keep it, keep everybody saying and to keep the organization going. The next tip would be to use the collaboration all features that notion has, and this is first of all, using comments. So if you're collaborating on a project, for example, you're writing the marketing copy for your website, and you have multiple team members that are doing this. Use the comments Teoh right down improvements or to ask questions. And also, what you could do is use the discussion on pages. So on every notion page when you go through the top, like right here, you'll see this ad discussion. But and if you click on add discussion, you'll see that is discussion box pops up and you can just type in something. This is a comment and our people can just discuss, and they're like, basically like group chat for this individual page. You could do that on every page, and you have kind of central thread that discusses the project. You can ask questions right on improvements there as well, and just use this to collaborate with 50 members also definitely use the ad mentions to mention your teammates and also to set reminders for them. So if you have a deadline for one of your team members, if you collaborative project and you need his help or work from him or her back at a certain point in time, you can set reminders for another person. The way you would do this is by using the user name. So you mention a user and then on the same line you type in the remind. And let's just say tomorrow and now this user will see this in his all updates tab, and he will be reminded at the time that you set. The next tip is to use the database lock feature strategically, especially if you have a larger team. And you don't want things to move around too much if you have a set structure in place. I just used the database lock feature to prevent any unnecessary and unwanted changes to your databases and so that everybody can just use the database. The way was originally intended to be used. Now a more specific tip is when you want to use notion for team management of tough management within your team. What I would recommend there is to definitely include a property for the person that's assigned to do the task in your task database, because you want them to be able to filter through the tasks by task that they're actually assigned to themselves. They can then use this to build their own dashboard when I have a quick overview of all the tasks that they have to do, and it just makes organizing your team much easier. And that's it, for this video notion really makes it easy to work with teams. It's a pretty straightforward way. There's not too many complicated set ups that you have to do. So if you're planning on using notion of the team, I want to give you the courage to move forward because it actually really is a nice tool, and its gaze really well for seems of any size. Whether you have a three team members or 50 team members or 100 team members, notion can definitely the true for you if you I felt the right processes in the first place , 22. Project: Creating a content calendar: in this video, we'll build a fully fledged content calendar for you and potentially your team. This calendar will help you organize your content, create a publishing schedule on just keep track of everything that you're doing within your business when it comes to creating content and publishing articles, YouTube, videos, podcasts and whatever else that you do first, I want to show you how this actually works and what we're actually doing here. And then we'll get into building this out ourselves. So if we look, have a look at this content calendar right here, you'll see that we have this planning board which has these different steps in it. So you have on idea you have the creation process where it proposed and published, and you see all of these posts in here and he's gonna be dragged around just how we want them. So we can if we have a video and we want to move it from creation process to the range of post kind of column. We can do this on this will really help us keep track off where we are in our concentration process. What is being credit right now? What is being published on how we're doing for on schedule or not on much, much more. Also, we will have a different view, which will be the content counter view on. As you see we have these posts in here. You'll see that they are added in because we have dates assigned to them. We can see on which they are due to be published. Eso We always have a quick over look at what's being published right now. What's going out if we have credit is already so we'll see. For example, this video that is due to be published on Saturday has not been worked out. It hasn't been produced yet, so it's just an idea. And if it was a Thursday right now, then we would really have to keep get going that we can actually publish this than on the Saturday. So this also tells us if we're on track with the things that we're doing. Also, we have a view which assigns these by signing, so we see who is producing what content, how they are doing with the content. Creation will see that this is ready to post eso we see who is actually putting out content on a regular who's maybe slacking behind what they are producing content about when they do to republish the posts that they actually produced and much more you could easily add in a new group at a new assign me. Or, for example, if you said Well, the interview with the notion found a podcast blogger article should be moved from myself to kneels over here so we could just assign this to another person by dragging it across again. Also, we have the table view, which this gives us all of our options. We see all the properties that were signed. We have this status property. We have the publishing day property, the assigned creator platform and also some more things like this sponsor column, which would get to now because this also includes a second database, which lists are sponsors that these are just made up, these on actually and responsive mine. I wish they were, But just for this example, what this database does is it counts how often we were sponsored by any of these sponsors down here so happy we have to sponsors column, and we just add in a sponsor for every post And then we use relations and roll ups to calculate how many appearances we had with each sponsor. Andi. Using things like the average value for appearance, we can calculate how much we actually earned with any of these. Individual companies will see how much value they created for us on also how often they sponsor one of our posts. So that's it. Pretty much. Let's dive in into building this awesome cotton kalba were back in our own dashboard, and we will go to the content calendar. First of all, we will create a table database, which will be in line. This will be a content calendar, and we'll add some of the properties that we needed to it. So we'll have the post name. We will have the status, which will be a select. We will have the platform it we'll have the signing, which will be a person. The platform will be a select or booby actually a multi select because we maybe we want to have the same content. Peas go out to different platforms, and we'll just add in the values for each of these because so the status will be. We have an idea status as we saw earlier, we will have a creation process status. We have a ready to post status. We have a published status. We don't need status just published. And these are awful statuses. Now for the platform, we'll have YouTube, blawg, Facebook Instagram, take talk podcast on that should be enough. Actually, we can now choose thes platform that will later choose these platforms in order to assign them to a specific platform and to see what is going was one of being published on each of these platforms. Now the assigning, it will talk about it later. For now, we'll just add one more property, which will be the publishing dates. And this is the day that will assign to the Post so that we know when it's supposed to be uploaded. Now again, I'll just fill in this debate with a bit of demo data. You can just do this by yourself or you can just use actually what you would want to use is for later. By adding in your own continent. He is. I'm just doing this so that I could demonstrate the different function out. It's better. Okay, so now we're done with adding in the devil content, we're now going to pray the different views that we need in order to look at the data in a different way. The first of all will spread the planning board, which will be the board where we see what satis each of our posts has at the moment s so that we can better plan with the content creation. So we'll hide this and it's already in the right order because we credit is already you can now if you want to change the properties that actually shown. But I think that we shows just the right, Yeah, which is just the right properties. So this already is the way we wanted to be If for you, the board is not grouped in the right by the right property just going these buttons go to group by and then just changed us to status. Now, the next view that we need is the content counter view. So this will be a calendar because we want to know which posts are going to be uploaded on which date so that we can just keep track of how our publisher and schedule is going. Which shoes calendar for this and look at the calendar. Actually, let's make this page for with just that we have a bit more space. And now you already see, since when we go back to our table view as I put in these dates for for the publishing schedule, you see that they automatically get assigned to that date in the calendar of you. So we'll see all of these posts and when they're scheduled to be uploaded and not what we can do is just add in some more properties to enrich the data that we haven't just to make it more clear, what is posed actually are because we right now we just know that there's some posts going up on these days. But we don't know, for example, the platform on, for example, the status thes two other things that we would like to see, because if I have this calendar of you, I want to know what platform there being posted to. So this solves is and also if they are already ready and ready to be posted. So if you have a post that you want to go out tomorrow, but it's in the ideation phase and you still have to produce it. Then you know that you have through really prioritized that in order to be finished by tomorrow, and that's why we'll include the status as well. Now, that's it. If you want to reschedule your items now, you can just go ahead and drag them wherever you want them to be and just back to back. You see now this changes from the second to the sixth. And if we go back to the table view and look at the interview with the notion founder, it's now assigned to the sixth of May. The last week I will create is the by a sign, Eve you. This, again is something that you only need. If you use this with either your team or with guests that you have on. It allows you to see who is assigned to which post and who is actually producing the content and who isn't. It's a good tool toe look at performance as well. So now this is a group by the wrong property, so we change that and regroup by assigned creator. We'll hide the no sign Crater column, and we'll see that these posts each are assigned to me and one of my business partners. And now what we need to do is again added the properties because we don't need to see the assigned creator in every post. If we actually see this up here so we can get rid of that on what we want to see is the status for this. Instead, that's it for this database. Now we'll move on to the sponsors database, and we connect the two in order to find out how much revenue we're actually generating with the content that we're putting out. So first of all, we will just create a new database. It will be a table again in line database, and we'll call it sponsors. Now we can later put in the names off the sponsors. But for now, let's just look at some of the properties that we need. Would you eat? This one will lead to read this one as well, and we will have a property for number off appearances. This will be a roll up, so we can't actually use this right now, but we'll fill it in later, and then we have a number which will be the average value per theatric value per appearance . So how much money do we earn per sponsorship from this certain sponsor on average, so that we can let a calculate the total value. So, let's say average value, part post op er appearance. But like that make it a bit more concise. So actually fits in this field. And then we'll say, estimated total value. This will be a formula. Now again, I'll just add in some demo content so that we can actually work with that. And you actually see how this actually is supposed to work. All right, way we can now add the number of Kim's is rolling property, so we will choose relation. We won't use the property off father, and that way Jews found all and now this automatically chooses the amount off at the mouth off. Each of these sponsors was actually featured in this content Taliban database, and based on this, we can now even Catholic the estimated total. So this will be a formula, but it's pretty easy, actually, because all we need to do is two times the number of Pierce's by a number of body average value for appearance, and then we get total about that this once have brought to our company. So we'll just add in the number of appearances property and we'll time set by the average for appearance property. And now we see that or better be update and creates these values for us now to change these values updates. For example, let's go up here, you see that we have now won appears brilliant. Let's just choose brilliant for this one as well. And then we should have two appearances by brilliant here as I see it already. And also this calm updated because now the estimate is twice now. The last thing I want to talk about is the ability to create these generated and especially in this use case on for this purpose off having a content counter really, really save you time, especially if you're working with you, get to you. So let's check these out. I felt some for us way have once for the video outlines, social media block articles and podcast. So let's look at the video that and you see that this will automatically assigned the value of YouTube platform because obviously quite a video it will usually be for you. Also, we can choose a creative in a company that usually does so. For example, you could have one person that is responsible for producing videos that will be by default assigned to these YouTube videos. And another person might be offered to be assigned to block hosts because it's the right of your team and feel, she writes, also will have assigned through the idea status because usually idea content. Kaunda it will be the allegation face on will not have. Then right down here. We also have the ability to have custom notes on a custom structure for every post. So in this case, this is the video outline so you could have the album year. Then you could have notes to the editor so that extra posting videos you could write notes from here. And also we have to do a section where added things like tasks that are related to this video. So, for example, you might need to do some research on a topic that making this video or maybe to gather information from screen. It's been recordings, pdf's Whatever. You could write this in here, and we can have these for any off our content types. So that's just looking, for example, will look at the media posts. And here you see that now the platform that science is faithful, we happen. Another created that sign on. We have a different structure for our temper because for Instagram Facebook way only need caption hashtag and the graphics for post. But we don't need a big video off line so really customized days and optimized this process to make it really easy for you to quickly post on this really, really, really powerful for teams and individuals alike. So that's it for this really extensive video. I hope you enjoy it on experiment with This way. Have this in our notion result. Listen closely socialist. You usually find link below so down here and you can play around with it to see how many teachers work and have a look at that. So feel free to do that if you're interested, and if I hope I'll just see you in the next video 23. How I use Notion in my personal life: Now I want to share with you how I actually used notion myself. So what applications have I built with notion. What work clothes I do in notion. What do notion how myself both my personal and my that. So the first thing that I used notion for for and I was a pretty similar process at one. I describe course failure, but I should right now. So let's go to my gold page. Excuse me? Some German. I tried to translate as much as I could, but I wasn't going to travel home into English. So I just wanted the main parts so that you understand what I'm actually saying. What? I tried to explain the best I can. Okay, so right here on page, this is my goal. Stay base and I have this other girls ways. One is monthly and one of the girls that advice. Usually I defended this way, so it's organized by categories. This is ABC weapons. I like my main online marketing web design business. I also do some management for tic tac finance souls, personal development goals, life set goals. And these are the categories. Now the monthly bills usually also look up in this way. I have it organized by months. So I have. If you go back to the table this I have all the girls in here. Each of them have the same category as they are here. And then I have a month aside to them and a relation property that relates them to the corresponding years ago. So for each of these, you don't appear I have relating monthly goals in that you just click on them. You'll see the always ourselves. Here goes that related to this bigger Now I also have the property off reach. So if I have reached ago, I check this off and I am filtering in a way that the reach is not check. So if a technical it will disappear from the view. Because I only wanted to see the things I still have to work to just keep it a bit more simple and minimalistic, because otherwise my big trouble if I still have all the goals already achieved in there, especially since I am using a monthly database. If you have that, they 10 to 15 goals per month for all the various aspects of your life because these smaller goals on you. Look at this database in. After 10 months of using it, you'll have hundreds of gold in there. So using this if it helps you to just put out what you actually want to see Now what I also do is on my home page. I have a database for this. Exact goes I have the same year. Well, I have mark gold based links and have also this ball. You well see calls by the month that there I'll see it's reached. Check this. You see, ghosts reached already. Both didn't reach. And I also have a set up in a way where I see the overarching yearly gold below. So find an apartment. Berlin. One of my goals. And it is a tough goal to the overarching big gold. I moved with my girlfriend on. The same goes for all the other girls. I actually, actually, I actually don't even have that. I haven't had to settle for a long time, So not that useful yet. I think I'm going to change things up a bit, but just that, you know, training things, that notion is pretty much business, so you'll always be changing things. You always have better information, assistant, because it really adjusted to you like them. And therefore no system is perfect. Always find room for improvement. The next thing I used, my notion that up for is for learning and for having a central database. This is here, and I have a list of topics that I want to learn more about most of that. And then I have this database, which is a list off. Many of the things I want to learn. I have status assigned to them. Finished started. So to do so in the name of the author resource and the top of so I I don't use it as much as I see mostly things I put into the books. But I have started to implement this more and more because I wanted to have a more clear a learning experience for more experience and instead of consuming, I was fun to the day. I would do maybe like, an hour half today, and then more of the implementation. Well, to actually learn something on the resource is that I to get a quick and nice over. You know what I have actually you think I have a picture where I have just this and a list you filter. I have felt them status is not finished and it is not so I want to have only the sources that I haven't finished yet. On the resource is that I don't not books because folks this learning less like a next. And I just keep him because I didn't want to keep a list of books somewhere else. So I took him out for right now. But later, if I want to put the books back in and include these books in my daily or with the learning routine, it just gives me a nice of you off what I'm currently working on work that directly. Next thing I used my motion for for recipes and my recipes that raises hidden in my second brain. It's right here on day includes all the recipes that I have tested, that I like that I would like to try in barest form and I'll go through some huge right now . So my favorite is supposed to have all of the off the items that I actually enjoyed the most. I haven't done this properly, so I have just right now we can rating is amazing in here, and then it's how it's actually supposed to work. But that took some other use. We have recipes, you, and this is for peace. I haven't tried tryout property, check my property and said to not false, not tried out yet. So this is a list of things I still want to try out. And then I have my cable you. So we have a whole database again, something I've started to use more, more, gradually adding, maybe like one recipe every two weeks or once a month. So it's growing suddenly, and I plan to use his long term really extensive recipes recipes that actually really enjoy . Yeah, it's useful. I actually come back really awful, even though I haven't even gotten that money. 19 that so far. But just a nice way to say recipes from Web site from YouTube videos and any other salt. You might get recipes from now, another database used. My notion for is for interesting products, and this is Chris. Since I'm willing to Web development software, nice model products, stuff physical. I just like to learn about innovative start ups and so on. And so I have credit this list of interesting product companies. They just want to say somewhere it's not like I actually need them in any way. But I just like the feeling that I have in the back of my mind. I could come back to them and Abbas lists that in the end just helps me get things out of my brain and into a storage facility where you need to worry. That's why. Also in my second brain second page, I don't know. I don't know if you're familiar with the concept of a second brain. Basically, it's a conflict that you try to outsource much of the information that you have to start. Remember to a computer because you just pray our mental space. And this is This is something you used for this. It's just really simple. There's not much to it, just company names. I have many the Web, so it opens up. I'll see your l to this company website and have a category. So I thought this by This is a category, but other than that, there's not much to this. I can choose a better as well, but it's nothing I used often. It's more like a star space for these types of companies. The same actually goes for the interesting software tools. This is more related to what I actually use on a daily basis. So things like to do it to do this side ground for hosting more, proposing things are actually using design, somebody working on a digital environment. And this is an all out here because some of them I just find interesting and I haven't been out. And also because sometimes if I talked to somebody and he maybe he meets tool, you need something to be more productive. I always have a list of all things, and I can refer back to them later I recommend them to and also in this kind of scenario, what I do is I have some of the affiliate things here on possibly so if I can recommend one of these products to somebody, I just got a small commission. And since I talk about these products after, I talked to a lot of people about this product, this sexually something that doesn't take me any time to work on. But it's just a couple of a couple of a couple of years and that I get for basically referring Proctor use. So just another useful database. Everything. Tech tech tools like software Tools s. So this is something that I really like having? Yeah. I also used notion to keep some of my ideas. I have various places where my is putting them all in the notes database. But I have more general ideas. Just nothing too fancy on Have a business, a business. And I haven't an additional business useless or things that I want to be in my business right here. They're scattered around a bit right now, but I This is very much all the aspects of action. You have to keep notes, do something. No, take it in Evernote Still, So I'm trying to move that notion well, but I just have a couple of places in motion. No, in the second grade apartment. These business, that's too much for personal parts. In the next video, I'll show you how notion in my Roman environment, how is lotion to plan online courses on much more So stay tuned for that 24. How I use Notion in my work life: in this video, I'll show you some of the aspect of my work life that I managed using notion Let's get right into it. Okay, So first of all, I like to create my online courses in motion. So happens online courses and course you're watching. Right now. This is also organized in motion. So I have pull structure here. I just read this camera day, but you, with all the videos that I want to create and then I have each video, is that it is entry. Pretty much I see it has to do to do it has the construction for the editor on. I have the video stuff All this notion page on What I didn't do is if I finished the video at this check box. I haven't finished yet in this question. Now I have all finished because they're much much watching. Last years were here or not, so I haven't read it yet, But you get the idea on If I want to add a video, I'll just take here and just say new video and then I could get some of the video. Also, I have a template. So it's like a basic video structural does. It creates this two DUIs lis traits, the structure for the editor and the structure with interest. First point, and then I can get directly adding in my my video structure. Now I don't in the ocean yet is posting the videos because I don't really think that notion is made for these large, large file sizes. It's not integrated into the new normal PC fan structure as Google drive a lot of your files, but I'm sure that they will implement better burden of this in the future. So I could definitely see myself lying all my courses, having all my posts, notion. But for now, this is all I do when it comes courses. But so I switched between different products itself to switch them around to move them around. These folders pretty much, and also have these structures in place that I just have to click once, and I have the structure for video already fill it automatically. 1,000,000,000. So yeah, courses, courses, my use cases for my work. Also, I like to manage my online marketing business with notion. I have a separate patron. This plan projects I have a small Syria to current costs that I have for business business ideas I talked about earlier on other points like what does that inspiration in the face and from standard operating procedures, for example, what the inspiration change is just a list off outside of your joy. From time to time, I'll added a new website, really, only had I really think that they have great design or if they have a specific niche where they have the best. But it's just nice to take a look at them to see what they're doing. If they're updating their website on, just have some inspiration here, but also various other great True to get that inspiration. But I like to keep my old personal list of my favorites. So this is one of the I think I use this for, but if you go back, we could have a look at some other things. So business look that already recurring costs pretty much just list off. The costs have reminder when they will do the next time, Then for the SNP's. It's just some things like sales for morning design website Main Mons, local ASIO on I just prostheses that I like to follow now I won't go into the plant products area, but basically it's just a sub pages for each of my clients, whether you can go to and I keep all of the things that I need to know when it comes to their client projects of comes to the website on the market needs. I'll keep my notes and everything the says I use on a regular basis. I haven't quite implement that into my process, but so it looks empty right now. But I will try to do this more, more well, as I do more active sales for my business, but now looks for the NT not too often, it's basically the same. I have potential potential lead lead qualified than often sent, offer accepted and then I have climbed loss and product completed him follow. So pretty much similar to what way could be just a bit more simple, But the next big thing my motion for is for managing the work together with keep talking. So as you might know, I'm quite interesting marketing. I also have my clothes on that, So if you just take that marketing, be sure to check it out. But pretty much. What I do is what we do is we have some inferences that we work with where we plan content for them. We have them grow on kicked on and I have my own set up that control this well way have there we actually have more of this. I would be enough to just show you three of them. Um, it's pretty much split up into these influences areas and then into the internal areas. So I do together a business partner on I have set up in a way to the only ones who have access to all the pages so we can see the mini mills that we have with each other, the contracts on conceding main database. And then each of these inferences has its own database, its own section. So they all have access to their own sexual share them, and they can see that contract that could see the meetings that we have had with them. And they have a Clinton. The comedy is just a content way, collected some more general topics on some specific ideas, and then in the conflict is where we actually keep the have a similar cotton plants such as credit in last year's have Ideas Will Have is being produced will have approved that we have posted on. You'll see that we refuse this to see status post that we put out, and then we have another you folding so again way haven't kept any course now. But let's just do this for this example. Let's say you want to schedule seven with false for today, which will usually do, and then we'll also be able to see this in here. Now, this actually isn't the main database. This'd is always just a linked, for instance. So each of these inferences has an instance off the same database in his kind of area, and we have one big database right here in the whole area. For all of our inferences. Put it together. So you see that he is the view with multiple entrances all having the old post on. So we have a central database where me, as the kind of managers look into and see what each of the up to, which makes magic the whole thing much, much easier that for my personal notion usage, I hope you drugged us in a detour. Thank you. We'll go over some more tricks. Tips and tricks and hacks used for notion help you that 25. Useful tips & tricks for Notion: in this video, I want to share some tips and tricks with you you can use to really become a notion power. The 1st 1 is to add custom icons to get notion account. This is not really a performance improvement, but just makes your whole set up look that much cooler. For example, in the in the conference we had the sponsors. I use some companies that sponsor utilities of many, and I am in these locals. They have as the on you can pretty much important anything. Any picture any I can into there so you could use websites like I can find a flat to reuse custom images and to make your notion account look even back now. Next tick is how we can use columns within toggle buttons and 10 bucks Way did this earlier as well. But this is still a feature. It's more of a work around that notion. Nature doesn't support columns with their temple buttons, and probably not to do this for a trouble. But what you want to do is to create a sub page on page that you want to talk about to appear. Then just name it the way you want Tubal? What's in a name? So to say this is and then we create multiple columns, so just say image happen. Heading three. Call one. Do that. Okay. This have to and image to you from even more clear how how this works. Yeah. No, just take some time. But now, way rearranged this one to look in a problem. But we can go back to previous page and go down and turn this into a probable publicist. And now you see the title off the page is now the tithe and open it up. You see two colors which otherwise it wouldn't be possible if you want to add a layout with columns into a temper, But you have to use a different method. So a temple. But first, then we will just delete any of the content here and say, I would just call it camp. No, close this stuff way. Do the same thing. So this is our We'll have two threes. Call one and another one for to move around. Images. Yes. Use. Yeah, And now that we have this go back, we could go down, drag stage into the paper, remove the space and turn this into a headache. And now we see that our land is into two columns. Just wanted to be next. It is converting an online database into a four page database. And now for a full page Wait. What you need to do is you need to drag base into any other page into your site. So just like home on that would go to the home page, scroll down and see This is and click on this now and you can say turn into And now is now . If you want to do it the other way around, we just have to go again. And then it will be turned back into a page again. We could drag it and it will be individual. Full page. They Another really useful tip in notion is to create acolytes. So if you have a specific section off, okay, should we want to link to you can do this in motion. So if we go on our meeting, change all that for content can. We wanted to think through this trouble bosses that we credit down here. So it's just this random talk talk about and we can click on these and then just go to copy and this would copy the link to this part of the page. Click on this link if you put in quickly so we can just pacing yet on the will be directed to a page. Usually we should be directed to a button, but this is how we're just pasted it on. Then you get directed to this part of a similar thing also works for databases, so you can call me a link to a certain you. For example, if a certain work for that to implement includes a specific view of database, you can live to that You So all will open up in that you being in the people you are united last. So this only works with full page databases. So we'll just check this out with a new higher on boarding database just imported on the settings and coming to you and now uses somewhere else will be linked to this by status page on. If you would want to be linked to the table, Page would have to go to that page and choose copy to you from that. Another really helpful feature is the ability to edit property values in many ways works here. So if you want to change a specific property off all of these different values, just and then right, click and say any property, then choose property that you want to edit. So let's say status, because this is what we see up here and then we can change. That is to say, strange that creation and see how all these are assigned to the operation. So this is really helpful if you want to, and it's all these involved. You want assignment to one down. But I don't want to go through hundreds off entries because it's just a big waste time, so really helpful. Another nice feature that we have is in the quick, fine menu. If you have a really large no, she said, you have maybe like hundreds of people using your notion, a company workspace. What motion gives you is the option to filter through your surgeon, So let's just typing and then you'll see the option to personal sort the matches. So best matches last last, always first, newest first over first created. So this is the first option, and also now you can say only match title, this option only take into consideration. Usually, if you search for anything in this book, fat menu notion will scan both and all of the content on that page to find similarities on terms that match. What for? If you only want to type, then just turn it on and it will only take into consideration. Also have foot protest so you could fit through things that credit by you. If you have again big team, you might want to filter only things that actually could yourself. Because you have lost. You have some information in the documents that you created, uh, like three months ago, and they want to find it. This is also you can choose. The quick front ended last week or so again, if you have something that just recently edited, and you finally more use this to filter through your whole notion face. The next one is the in current page. So if you have occasion this very sub pages in that and you only you know that it's somewhere on this case for sub pages, you use this to quickly find something well again, really useful. Then there's other options. For example, in page filter. You could choose this, and then you can just click on any patient to choose a page in your promotion, and you will only search through the content that is on this page on any off some pages. Also, instead of saying credit by yourself, also beautiful content with somebody else. So if you have a contributor that might have might have credit a content peas well, Credit filter lets you choose a time range in which something was created. This can be said manually, and also last edited option gives you the opportunity to add a starting ending date to choose the only documents pages that were enacted within the last two weeks. The last track is pretty simple. I have shown you that's already but for example, in the sea around. And also what I think is useful is to hide these finish states. Call them so in this year, the clothes on the lost, which is kind of like the bin where all these all these leads will eventually end up on. If you leave them in, maybe you you will just get this huge club where you can stroll down like miles so what I do it. Find them and just drag in that if you finished, does still remove this category. But just not flat out the whole set up on it just looks a lot more cleaner. So this is just a nice that trick that I think is really useful for many people. All right, that's it. With this video, we're pretty much done with this course an extra. I just want to talk about a few more things about how motion actually evolved in motion. Will hope in the future on That's pretty much it. So you're not here. I hope you drive so far on, Uh, yeah, you there? 26. The future of Notion: So that's what I want to talk about. The future of notion Wave motion will be going on some more additional things for motion fans. Notion food Yes, out there that want to learn more about this amazing company. So first of all, they used to have a public road map, but I think that they dismissed that I have seen in a while. If anybody finds again, be sure that No, because I actually want to take a look at it for video. I couldn't find any more, but still there is. I think it's clear direction when notion will be going. I just got some of the features that I think might be implement in the future and what that will do for motion. One of the biggest teachers that notion can build on will build probably is on a P I for other tools that can be connected into notion. And this is by far the single most powerful way because I don't know. It's pretty much interface for problem Tool. For some specials to interact with each other on would allow more more tools to be integrated with notion. For example, you could be a country think your Google calendar with the motion calendar. Thank you use. Or you could use next tools like Bayliss form to add leads to your actual and just much, much more. So this is by far the biggest feature that notion can implement. And if you're if you join Ocean right now, I'm pretty sure that this feature we'll bring you driving up by by far because it just it just makes all things that right now or perfectly in ocean, much more simple notion before perfect. But it's just a really great tool.
