1. Introduction: Welcome to the 2020 notion Masterclass. My name is an ash, and in this course I'll show you how you can use notion toe, organize your life and to increase your productivity massively. If you've never heard of notion before, it's an all in one planning and organisation software that you can use to organize your life and everything else. You could manage tasks to do lists, projects, family life, finances and pretty much anything else that you could think of. It's used loved by millions of people because of the way it works and health Flexible is allowing you to easily build out your own productivity. Work flows exactly how you want them to be. That allows you to have all the features that many other productivity tools together would have all within one coherent system. Are you taking notes in Evernote? Well, notion can do exactly that. Are using Google sheets to run calculations on to manage data? You could do the same in notion. Are you managing projects using trailer or Sana? Well, you could do the exact same thing in notion within a much more coherent system. On with much more flexible options, you can use notion as a replacement for pretty much any other productivity tools out there . So whether you are trying to organize your life, your work, your company or anything else, this course is for you. And the best thing is that you don't even need to have any prior experience. In the course you learn about the basics of the platform. So how emotion blocks work, how you can add in content into your notion workspace how the weapon allows you to easily add content from all over the Web into your notion account and how you construction your pages. You'll also learn about the advanced features of notion that make it into the powerful tool that it is things like the notion databases that allow you to easily display information in various different views, allowing you to create content calendars to get serum tools and much, much more. You will learn about advanced blocks and integrations that help you build out amazing work flows that speed up your work day and that just work for you. You'll also learn how you can collaborate with others in notion to fill out your team, collaborate within your team on projects, collaborate with your fiance on managing your household and much, much more. And also, if you really want your master notion for activity will talk about keyboard shortcuts. I would talk about some notion packs that they are there and much, much more. Also, I show you how, exactly, I myself used notion in my daily life, both personal and work life. I'll show you all the applications that I use on all the things that I have automated using notion. The cause is specifically designed for you to level up with notion. So each time that we talk about new features and you will be introduced, new concepts were directly implement them in a project. This way, we'll build out your notion. Productivity dashboard step by step, going from the most beginner, most basic features to all of the abound stuff that is out there. I look forward to teaching you all about this brain tool, so see you on the other side. 2. Creating your Notion account: welcome to the 2020 notion masterclass. In this course, you learn everything that you need to know in order to organize your personal and work life . Using notion throughout, this course will regularly reference the resource guide that we created, so be sure to check that out. Also, if you have any questions, you can just go to the United section or you can start a discussion on Ben will gladly answer any questions that you have. So what is notion? Actually, notion is a new kind of productivity tool because instead of being like other productivity tools that have a pre defined structure, notion lets you I'll put your work flows yourself so you can really adapt the software to fit your exact needs. Also, this allows you to replace many other tools by just using notion so you could take notes in notion, you can have databases, tables, content calendars you could do to do list. Project management can been boards. All that is possible within notion. That notion is a freemium software, which means that you can use the free worsen with limited features, but it will be enough for you to get started as you see, we are on the notion pricing page, and they have just recently introduced the personal and personal pro plan, and the personal plan gives you access to eliminate pages and blocks. Andi can also share your account with five guests, sink across devices and everything that you need for the basics. So the basic set up you could do that with the personal plan. But if you want to have full features like the A P I that's coming soon or the version history on the unlimited file uploads, then you will want to upgrade to the personal pro plan. This is really nice, because it used to be a pretty limited version that you could get for free. But now the version of personal person has pretty much all the features that you need and is not that limited on bond. If you want. As they said, you could always upgrade to the pay plan for just four bucks a month. You'll find the link to notion on a resource page and also below this video. Right now, we'll just create your free account to get you started so that you can test out notion first and see if it fits kind of your work style and you the way you want to organize your life and then later. If you are interested, you can upgrade to the full version. So we're now on the notion home page on to create your account. You can just go to sign up, and then I will be logged in as I already have an account. But you will have to go through the sign up process, which is pretty straightforward. You will just be asked a couple of easy questions, and then you will be directed into your account. You will probably have to agree today. Data collection on. You'll have to enter your name on Ben. They will ask you if you want to use notion as an individual or asked if you want to use it as a business with your team. But we'll go with the individual plan. For now. If you're planning on using your team, your notion with your team, you can always upgrade that later. Once you're finished, you will get to a screen that will look something like this. Besides the main notion Web application, there's also the notion Desktop Virgin, which is pretty similar, not that much that you can do within that that's different. The only advantage that the best of has that you can get push notifications on desktop, but said from that, I just personally like to use the Web version because it just works. It works just similar just fine. But if you want you, you will find the don't know links on the notion home page. There's also an app for IOS and Android, which is much more interesting than the desktop burden because that actually gives you the ability to use notion on your phone while you're for example, on the go and you just have a quick idea that you wanna write down or if you're using it, to track your habits and you just finished finished one of your habits and your on your phone. You can quickly check that off, so that's definitely something out. Recommend to you. Just go to your either APP store or Google play store, um, and installed the APP. The last really helpful to that notion offers you is the Web clipper. It allows you to clip images, texts, articles, onda whole pages into your notion account. We'll go into more detail how that works later. For now, just go to the corresponding Notion page. You'll see the link on the screen on download the extension for either chrome or file. That's it for his short introductory video. In the next videos, we'll go into detail on how notion works on. We'll start getting you productive using notion. 3. Basic navigation: Hey there in this video, we'll go through the notion application together to find out how it works, what you can do with it and to give you some basic introduction to all of its features. Let's get started for this. I have created a new workspace called Nurse workspace, and when you first create your workspace, you will find some of these kind of basic pages in there that will help you get started. But we don't need these for now, so we'll just go ahead and delete them one by one. And then we'll just start by creating our own notion set up and I'll show you some of its features and some of the waste you could add content to notion. Okay, so now that we've deleted all of the prior pages, let's add our first own page. And this is basically the most basic building block of notion. It involves around pages, so you have pages you can think of pages kind of like documents, the same as you would have kind of holders in Google drive on your computer, and within these pages you can add in content you can add in other sub pages so kind of like sub folders. Andi Yeah, that's basically how notion works. So let's adult title to our first page. Let's say this is our first page. Now you'll see how on the sidebar this changes to the name that we just gave our title. So this is basically like the name off the fall of the name of the page. And now, within this page, we can enter in content. We can put in any content text, video images, PFC. Other files, music and much, much more. We do this by pressing, enter or just putting our mouse in this field, and now we can type in slash command to choose between many off the building blocks. That notion has to offer will choose text for now, and we'll just typing. This is our text Now we can also put in a heading. So that's a H three, which is heading three, which stands for small heading, and we'll say this is a small subheading Now. We could also add in something like an image which we can choose from on Splash. Just choose this one for now. And now you see how this image gets added in tow our notion page. Now you have some more options. Like, for example, you could drag these around. You could say you want the text, the subheading to be next to the image. So this kind of trades two columns. You could even say You want three columns. That's all works. And this is how you can create layouts within notion, the notion software, which will later used to create our own work flows. So stay tuned for that also just the same as we have kind of created. These columns weaken. Just drag these content blocks around. However we want, we could say we want That's it. Let's just add another text block and say, this is this is our text block number two and just say we want this to be one. Just be up top And now you see how you can easily change these around just how you like them Now. What makes notion really special is that inside of these documents, you can also have sub folders. So in other tools like Google Drive, you have folders that you can put some folders into. But you can't add in content in these sub folders directly and this is what makes notion really, really powerful. So we just use this slash command again and we'll just have in page. And now you'll see we can choose this basic block and better sub page inside this page, we'll click on this. And now you see how we switched from this is our first page into our sub page, which is called this. This is our sub page. And now we can go back to the first page and we'll see that this kind of sub page has appeared in here. And also, if we click on this drop down, you'll see that within our structure here, we have kind of this sub folded a sub menu just like you would have on any other file system. And again, this is what really makes notion that powerful. This notion sidebar right here is also really powerful. If you want to switch between different pages quickly, eso you couldn't just added a new page and you could say this is our second page and now you condone If we collapse this, you can use these buttons to quickly switch around between these different folders two different pages to conveniently get where we want to be quickly. Also if you want to focus. So if you don't want to have this kind of navigation bar with you all the time, you could easily collapse it by clicking this button up here. And now you have just a really clean slate clean screen where you can just focus on getting your work done. Now, in this left sidebar, you also have many other options like, for example, up top here, you can switch between different work spaces. This isn't really relevant for you. If you just use notion as a personal tool, I personally only use one space myself. I just have this different space now for the course. But if you, for example, had a company and you used notion private as well, then it would make sense to have different work spaces. But this is too advanced for now. You don't really meet this right now anyways, Now, the next option is this quick find. This lets you search through your whole notion workspace again, something that's more relevant when your when you kind of have a big notion space with maybe hundreds of thousands of pages and you quickly want to get to one specific page that you know the name off right now. This wouldn't be much relevance to you because you just don't have enough pages whether it would make sense. Next we have the all updates tap. This is where you can get notifications. For example, you could set reminders with a notion. So you get a reminder notification right here. Also, if you work in a team, people convention, you and then you will see where you got mentioned in your in box right here. Next up, we have the settings and members Tab. This is just kind of you to settings. It's pretty self explanatory. You can change things like your name. You couldn't choose a your l that you want your notion workspace tohave. Also, you can add in members. You can manage the billing upgrade on some other nice features, like the dark mode. As you see right here next up, we have the notion templates will go over those bit later. Thes are pretty much pre defined work flows and setups for notion that you can use to imitate really popular work flows like project management or managing finances or having a serum or a notes database, which will also get into later in this course, will take a look at those later. But just just remember that that there is enough for now. Also, we have the import or the import options, which allow you to import content from different other tools directly into notion. For example, you can put in your Evernote nodes. Traveling solo boards can be imported into notion s so that you can use notion for project management, which works well and also many, many other options. That notion gives you to import other software content into notion. Again, the trash is pretty self explanatory. This is just where your pages go once you delete them. Um, nothing special or up about this on that. Down here, you can now add new pages. You can also add new pages, right. Here s Oh, this is just one more option. That notion gives you to add in your pages into your workspace. Next up, we have the top right menu. Now, this is what you have the sharing menu so you can share to the Web on bond. There were other things that we don't need to go into detail right now. We'll do this later, but just be remember that you have the option to share your workspace. You also have an update stab. So if you're on a page and somebody else, for example, updated something about that page or yourself updated something you changed around the layout or was something else, this will be visible in the updates tab. So you always can keep track of what happened on your page. Um, and you condone. Also go back. If you made any changes that you didn't want to make next, you can also favored your pages. So click on this favorite menu, and then your your page would be added to a new tab called Favorites. I don't really use this, but if you want to, this can be really helpful, especially if you have a really big notion workspace. And you worked with a couple of pages on a really regular basis, just adding to your favorites, and then you will have a quick access way to get to them. And lastly, in this top menu, we also have the option to kind of change around some of these styles. You can change around the fund, for example. So that should say, one day, several fund, and now this is all in a several want. The thing about this is that these changes are made on the page by page level. So if you change this here, it will only apply it to this second page. So if you go back to our first page, this still has the normal fund and nothing changed their and this will be the same case with any of these changes like, for example, the full width or the small text. These only apply on this particular page. So you have to enable this on every individual page if you want us to be active. Also, you'll hear find some of the other options, like deleting the page on doing changes on importing things directly. You can also export your page. So these are some of the options. That notion gives you again some of these options you won't need in the first place. But just, you know, that there is already really nice. And lastly, we also have this kind of question mark at the bottom right. This gives us access to the help and support guide. So if you have notion premium on, I think also, if you don't have lotion premium, you will still get help by the support team. You have access to the cheap keyboard shortcuts, which will also calculator, and you have some other Ling's about notion. Another two last things that I forgot to cover are that you can add things to your pages so you could add in an icon to kind of make make your page look a bit cooler to make it a bit more homey on fun on not this kind of dull, black and wide set up. Put some color in there. You can make this. You can adapt this to whatever you want, so there's lots of emojis on different illustrations in here. Let's just say this surfing. Let's just take this surfer Onda yet there's there's lots of options that you can choose, so just just check this out if you want to. And also, one more thing is you can add covers again, something that's not functional. That doesn't actually make a difference in the notion workspace. It's just some nice extra. You could just put in kind of this cover which would be a top image. You can change it to whatever you want. So let's just choose choose one from the NASA archive. I don't really use them because I really think that they distract me would have been Help me. But the options there for you if you want to kind of make your notion set up, make it look a bit and feel a bit more fun on creative on. Not this kind of really sleek, minimalistic look that notion has otherwise. That's it for this introduction video. No notion is kind of overwhelmed dwelling in the beginning if you have never used it, but I'm sure that you will get the hang of it eventually. It's a pretty fun software, and you can really do much with it, so just kind of experience. Experiment with it and we'll start by actually having a look at more of the options notion has to offer and what we could do with it in the next videos. So station for that, and I'll see you in the next video 4. Basic blocks: Welcome back to the notion masterclass. In this video we'll start where we left off in the last video, and we'll discover some of the basic building blocks off notion that you can use to create your work flows to use in your documents and much more. Let's get started as we don't need them right now, we'll just get rid of all of the contents that we added to our page in the last video, and we also get rid of that image. And now we just have a blank slate again, and we'll start by entering some text. So this is our text block, and this is pretty much the most basic building block off notion. It's the default block, so if you go in a new line, you can just start typing in right away for the other blocks. You, of course, have to choose them by using slash and then choosing the corresponding item from the drop down. Some options that you have for text is if you double click on it. You can comment on a certain piece of text so you can add something like Yes is a comment and you can even mention someone in here and click on Send. And now you'll see on the right side that this added a comment to our page Andi. It will also be marked in this kind of yellowish color. Also, if we go back into the double click menu, you can make text bold. You can tell a size it, and you can do the strike through all we've been here, thesis some of the options that gives you also. One more option is you could turn them into code, so this will highlight them in this red color with the gray background really useful. If you want to use, for example, notion for coding the documentation where you want to have certain keywords or variables highlighted, you can just use this need your notion feature. So again I'll type into the new text block. This is a new text, and we'll go but some more features. You can add a link to a certain word by taking the link option. Just paste in the link right here, and then it will be automatically linked like on a website. Also, notion gives you the ability to choose a text color so you can choose both through the actual texts color and also the background color. For example, let's just say we want to make our text purple. You'll see that the text will be purple but not the background. And if we now choose to have a proper background, the text will stay black, but the background will be purple. You can also do this for the whole paragraph by dragging on these buttons work here and clicking on color and just choosing purple background. And now the whole block will have a purple background color. Now, another really nice feature of notion is that you can turn a block into a different block. Again, we'll click on this double menu double click menu. And if we go to this first option, which has turn into you, click on it. We can say we want to turn out text into, say, into an HD, heading three small section, heading on their freak on that the text just get gets automatically translated into whatever blocked with chose. So this is really, really nice. If you have a block and you want just want to change the layout of it, you can also put up you could choose Page so you can turn a text into a page. And now we can click on this. We'll see that this is now the heading off our page, and we can start adding contents into that sub pages. Well, now, since we're covering these already, let's talk about the headings. There's three different headings. H one h two image three thes are kind of they follow the specifications off hate email. So each one telex age six. But in in the notion that is only the 1st 3 each one being the first biggest one. It's to being a bit smaller, and it's three being the smallest of the three. So I'll just show you how these look will just have having one that this is heading one, and that will do much too. This is heading two on. Excuse me if I'm typing this in a bit too quick for you, but just to demonstrate how it works, I wanted to speed it up a bit. So this is history, and now you see how these how would be the sizes are different for each of them. So these make it easy for you to organize your page infrastructure, your contents. Another feature that you have another block that you have is the bullet it list. So if we go to drop down on click bulleted list, it's just a list of bullet points. This is a bullet point, and we can just add multiple bullet points. But bright here it works pretty much just the same as it would work in word or Google docks or anything else. Just pretty much straightforward bulleted list. Also, you can use a to do list or kind of a check list. This is the same. So this is a to do. And if you click enter, you get to the new new line and you can click. You can enter your new to do item. So this is our next to do. And now what this does. What option this gives you is that you can check them off like you would be able to in a actual to do this on as you see the text and gets great out to kind of show you that you have finished your task just like usual, uh, to do list manager to less app would do next. Notion gives you the ability to include images, which we also covered earlier. You can just upload your own image. You could embed a link. You can use unspool ash to add in one or more images to your notion. Set up, and you can also released four videos. So if you click on video and maybe if you didn't notice by now, you can. Also, if you entered the hype commanded a slash command, you can just type in whatever you're looking for. So if I'm looking for a video, I can type in a bid, and then the best option will automatically appear, which is video on. So if you click on that, you can again embedded link. Or you can upload a file to notion, because notion gives you unlimited data. Eso you can really upload a heavy chunk video. Or you could just upload your your image into your notion account. It's works with YouTube, Vimeo and other tools. Eso just paste in the link embed video, and that's it, then goes for PFC. So if you type slash pdf, you can just embedded pdf. You will be prompted to choose a file from the computer and then feel just do this right now. We're just choose this. Pdf and then the PF will be imported and you'll even be able to access that within. Your notion Now will quickly go over some of the other options that you have. For example, you have a quote blocks which are just a bit bigger text, and they have this kind of bit of padding on the side kind of border on you can say this is a block quote is just a nice element to kind of make your set up look a bit more beautiful . Bit nicer. You could put in descriptions on This is just something that enhances your layout and you're set up. Also. There are dividers within notion, so you can just typing divider. Or you can also just do three dashes, and that will also give you a divider. The's are just nice to have split up your content on toe, organize your set up. Next, there is a call out, and this is something that makes you running stand out. So if you have, for example, a information that you want your used to see, that's important for the set up for a page in your notion account. You can use this to kind of explain what it does. You can Adeniken to it on the district makes it look really, really nice. Also, there's the option to link to a certain page within your notion set up so you can just type in link to Page. And then we could link to a page within on that Russian set up. We only have one right now. Eso It's a bit hard to do this right now, but this just allows you to kind of link between pages to interlinked them, making collaboration and switching between different parts of your notion set up in notion account really, really easy. Then there's also the table of contents element, and what that does is it gives you an outline off your page. In our case, it just pulls in the heading one heading two, heading three that we credit here earlier. So what? It does it for all the headings. It pulls them in, and it links to them so that you can quickly navigate. If you have a big, big kind of document. Where there's loads of different paragraphs where different topics are covered, you can use this to kind of get a quick, quick access to them. Then there's also Taba lists on. What they allow you to do is that they can hide content within them so you can have a toggle cold. This is our toggle, and if you open it up, you can enter content within that target. So we just say 123 If you close the battle now, you'll see that these thes elements that we put into their will disappear. That shows how this could be used to hide content away in order to clean up your set up. So that's it for these basic notion building blocks. Two things that I want to cover still is on pages. There's some more options that I haven't covered yet, and I want I want to show you that again help you customizing your set up to your needs and to your liking to things that you can do is in your page. You can add an icon, so now they showed a default. I can, but if you click on that, you could just choose any I conduct you want. For example, we'll just use this brain right now, And this just helps you kind of making yourself look a bit more beautiful, personalizing it to your liking on just having set up that you really like looking at. Because in the end, notion is supposed to help you create work flows that you like that you want to work with Onda and also be kind of aesthetically pleasing and nice looking at the same time. Not old rusty tool that nobody wants to use but a new on inviting tool that really that really does something that really improved productivity, and it helps you improve your quality of life. Another feature that goes into similar direction is the ability to add covers again. This is not a feature that you have to use. I actually don't use them myself because I find the more destructive than they give me back so that they don't have a real value to me. It just it's supposed to make your page look a bit more personal, more stylistic. You could choose this cover so you can upload your own images. You can upload a picture from a link you can use on splash images and just helps you to personalize your experience with with notion, but that's it. On these blocks and the page settings. We covered more than enough topics in this video. So that's it for this video and in the next couple of years will start actually implementing these blocks into our own applications to make use of them and to create riel productivity work flows in notion. 5. Project: Create your Notion homepage: in this video will build your notion home page. This is kind of the first step on your notion. Journey on. We'll start with us now and then. We'll continually add Mawr and Mawr kind of applications on pages to your notion set up as we go along the course before you get started, though I want Teoh just wanted to say that don't try to make this perfect because it won't work if you're using notion. It's always the case that you kind of constantly are trying to improve your set up, that you find new ways of doing things or kind of work for. That works even better for you. So kind of try to embrace that. Andi, Just start out with the mindset that you will definitely changed these things later on. But for now, let's just get started. Eso that you kind of get a feel for notion and that you can test it out for yourself again when we're building these kind of applications with the notion, it's important that you will find all of these templates that we build within a resource guide. So if you kind of feel suck or you just want to have a quick and easy way off, adding them into your page. You can go through that resource guide, click on the corresponding page and then click duplicate on the top right corner in order to duplicate the set up the template into your own notion. Workspace. So now let's get started with building your home page. Do this well again. Read all of the content that we add in the last videos because we won't need them for, ah, home page. Well, also rename the page to home and will set another icon that fits Thehuffingtonpost theme. But better will also change to cover have kind of more of a homey feel that's just typing home. Maybe we'll find something that looks enticing and we'll just go for some Really a simple, minimalistic set up, right? Okay, so now we'll get started with this homepage. Okay, so first will create a call out. That kind of welcomes us to our notion page. So we'll just type in slash call out and through the color. Aiken, I will just say, Hey, you know, sh welcome back to notion way we can change the color so we'll use a purple color for this one. You'll see that it changed to really light purple. And then the next thing is we'll create two H three headings, one for work and another one for personal life. So personal, personal things, personal pages. And then we will drag them next to each other to create two columns. We will add some background colors to them just to make it look a bit more appealing again . Green for that. And now we will add in some of these sub pages that will go into these kind of work and personal areas so we'll have a sub page that is a content calendar. This will get an icon as well, so we'll choose a calendar icon Got it right to you, Andi. I'll go back and then we'll add in another one that is for meeting notes. And right here we'll add a notes. I can just choose this one. We will be creating a CRM. So credit page fellas well on, just type in see around can use money for this as it's concerning sales, and that's it. Then we will create a sub page for the personal space. Call this learning list. We'll add in a book for this, so I know that I can just to make it look a bit nicer. We will also have a recipes that arrays and keep in mind that we will go into more detail on these later. We're just having the pages to credit straight home page that you see how the home page in notion might look. And then later, when it comes to these individual projects, well, actually filled out his features that you can actually use them for your own personal and work life. So we have recipes right here on. We'll include in Aiken, that has something to do with food. Let's just go for these noodles would here. You can just type in age three and you will get the heading. See, we'll use that and we call it a habit to track up, and we again will choose a background color just to make it look more appealing. We can use yellow for that. Andi. Make it a full with element. Hopes just it's a more space with him on what we now we'll do is we'll trade columns for each day using checklists so that you can kind of check off the routines you want to do from Monday to Friday. So now we'll just add in the different days that we have so well at an age 34 Monday, we'll add one for Tuesday will just duplicate them. Um, yep, Now we'll do choose a out of this way we have Wednesday and then there's Thursday and Friday. And once we've done this, we can start adding in the different kind of daily daily habit, like we want to have will use it an underlying for this as well. So this just makes it look a bit nicer. Just use three dashes, and that gives you this underline effect. Now, once we've done this with stop by adding in the Czech box is our to do list. Items will say drink. Two leaders of water will say, Wake up before 7 a.m. Read for 15 minutes, and but I work out four 30 minutes, right? This will be our habits that we're going to track from Monday to Friday, and now we can just copy them. So using control Z and then just copy, pasting them into the other days that we have in all week. Now, this is not the best way to do this or not. The best way to set up this habit tracker. But for now, it works perfectly fine. Now you can. If you go to your home page and it put up, it's Monday. You could just check off these habits that you that you did and then you'll see at the end of the week how many times you miss out on certain habits. Maybe what you need to improve to kind of follow through with their habits and to improve habit completion rate. Now, this is not the best way to set this up. There's a better way to kind of have a automatic implementation of that to generate New weeks every week. But this is too advanced for you at this stage. Eso I just don't want to well, me right now, but we'll definitely come to this later on. We'll create an even better implementation of this. That's it for this video. As you see, we create home page with each of these different sub pages in them that we link to. We have this nice kind of hero banner that just greets us, and we can track our habits using the habit tracker that we built. This is just again a pretty simple set up. We'll get into more and more advanced features asked. This course progresses. That's it for this video. See you the next one. 6. Notion templates: in this video, we'll take a look at the notion. Templates Library. It's a variety off, different templates that you can use in various different use cases and reveries. Different kind of work environments. It's really helpful because it allows you to see what's possible using notion, even if you haven't built out any real applications yourself. As we discovered Elia, you can access the template slavery by clicking on templates in The Elect Cyber, which will then open this pop up menu. You can also open them if you on any page. If you create a new page, you'll see this prompt to create a template on that page or to open the template within the page. And then you'll see the same pop up right here. This is the pop up version off the temperate slavery, but you can even see more than that. So right here you have different sections on in these sections. You have various different applications, but if you go to the full template library, you'll find even more templates than you can already see in the pop up version. Off the gallery Andi. You'll find templates that were created by community members, but many people using notion themselves on do you can just have a look through and see what people are using notion for what applications work well on. Also, what just kind of fits fits your use Case fits what you want to do. Now let's go back to the previous page to the papa vendor on Let's Look at the sales section and then at the sales Wiki, as you see, will be able to fully preview what the tempered includes in this left corner left half of the screen, and you could even click into these pages to see what they are made of. What, what the purpose of the maze and what contents they offer. She go back, Go back on the top menu right here. And if you want to use this template now in one of your one of your pages, will close that down. Open a new page that we don't lose our home page, um, templates again, say is wiki and use this template, and if you could use the template, will be able to import that directly into our workspace. The workspace is for if you have multiple team members, which we'll get to later, they will all have access to the workspace. But private pages are only visible to you. But if you just go to resource is here and say we want to call this tasks does make any sense. But you get the idea. You can change anything you want within these templates and kind of use them as a starting point is boilerplate to get started and to create your own workflow by adapting these templates that said for this short video, I'll see you in the next one. 7. Introduction to databases: in this video, I want to introduce you to notion databases. Now I know that databases might seem quite intimidating to a lot of people, but I think that notion has done a quick, great way off implementing them in the sort of way that makes it really easy for beginners to understand. So it's not anything related to complex programming or whatever. You can use them pretty much like a spreadsheet, a table. In the end, they just combine the power off different format work format data format together to let you really easily display the data and the information that you have in the ways that you want to. So without talking too much about that, let's get straight into it, Andi. I'm sure that you will get what I'm saying and that these databases will be something that can really, really improve your workflow on that one of the most powerful, the most powerful feature that notion has to offer, so definitely definitely check them out. So, as I said already, you can think of these databases as a flexible way to collect organized filter and sort through information. So right here we have a recipe state of race. This is in the so called table view, which displays the data in the table, and we have a couple of recipes in there. These have different properties as I called, and each of them is a separate entry. So we have a world's best lasagna recipe, and then we have a corresponding rating, the cuisine that is associated with the prep time and a link to the actual recipe. Now this might seem a bit familiar, as it's not that different from, for example, having an Excel spreadsheet or Google Sheets spreadsheet. Now, when it comes to Delhi raises, you can really change up these properties in any way that you want. So in our case, we obviously chose properties that matched through the kind of database that we were trying to do. So this is a database you can add in recipes, and you consort them and organize them by adding a rating and cuisine so that you can later filter for these specific attributes that the entries have sunny end. These properties are just used to give context to the database entry that you have onda, and there's lots of them. There's lots of different property types that you can use, but we'll just get started with some of the most basic ones. The first property is the name or the title property. This is the one property that you can change because the title of the entry on its used in various different places so the notion needs toe have this at all time. We'll get to that a bit later as well. But for now, just keep in mind that you can change name of it, but you can't lead it or just get rid of it in any other way. The next property is the text property. So if we just click on, add new at the plus button back here, you'll see that we can get Neymar column. So we just call this text property and you can do the property type Texas to the fall. So we just choose that. And now you see that we are able to add text for this. So this is the text property. This is the most basic one. Pretty easy to understand. I think next one would be the number property, so we'll just happen number and then we choose number from job drop down. Now you can enter any number in here. The difference is that for these numbers, you can use these for calculations again. Something will go over later. But for now, just keep in mind that there's a separate number of property. You can also add in, for example, a percentage so you can't say this is 6500%. Or you could say you want to have it in dollars. You can change this in any way you want, but you just keep in mind how this differs from the text Property. Next to properties that we have are the select and the multi select property, so they were pretty similar. The select property lets you select a kind of attack from a pre defined list of tax. So let's just say way could use the crazy in the example. In our case or the prep, that's it. Prep time. The prep time is a select property, and if you click on this, you'll see that you can choose from short average and long, we added, These in it is in. You can on immune if you want to, so we could say really long as another property. And now we can assign this kind of value to the through this recipe. Multi select are pretty much the same, except that you can choose multiple different tags. So we could say Alright, lasagna is both Italian and American cuisine, which is definitely true. But you get the idea you could choose multiple properties for this property type on multiple values for this property type. This is really useful when we want to fit filter through these elements later in the course , the next property is the date property. Well, at that end as well, we'll just say date and then we choose the date property. For example. You could do this where? If you wanted to say, I want to cook this this recipe on this state so you could sign a day to it and then you would get around remind on that date that if you wanted to, that you wanted to cook this this recipe. So let's check this out. We click on the property and we'll see this pop up window. We can choose the date. So today's the off off May 2020 we could say we want to do this on Friday. 15 on. We want to be reminded on day. If we went at nine o'clock, we can even include a time. So we'll say 12 AM Onda we can form at the date and time zone and now you see that we have added in the date for this recipe. Also, some of the properties are pretty similar to the kind of block elements that you were that you're used to that we saw earlier when we talked about the basic blocks of notion. For example, we have the checklist, so type of checklist and we just choose a check box item. And now all of these checked boxes appear. You can check them. And this is also something that's really nice for filtering through content. Something will cover later in this course is well, also, you can upload files media so you can choose the prize that media type. And now you have the opportunity to choose a file. Oh, are embedded link to upload the pdf an image or anything else. Next we have the u. R l. Of course, this also works way did this here. So since we pulled these in from websites notion automatically added these your else to three the database as a property, and you can use this to add a link which doesnt can open. Run here so you could have a convenient way of looking at the recipe. If you have it saved. New notion. But you want to actually see what ingredients need. For example, then there's also email and phone. They work pretty similar to each other ones just designated for email so you can just at an email addresses. So let's just say test at notion course thought calm. And now you can just add in this email address. It will give you this option to send an image wrecking through this person, and the same goes for phone number so you can have a phone field and at a phone number. And let's just happen an arbitrary number, and then you will be able to call this number directly through notion. Now, one of the most powerful database features we haven't even covered yet is that notion databases and notion database entries act as their own pages. So you remember how pages work with a notion. Well, each of these individual entries each of these recipes is in itself its own page. So if you click on open for the lasagna recipe, you'll see a list of all these different attributes all of these different properties that we added. But down here, you'll actually see that it also pulled in some of the instructions from the website that we got this from. You can now add in extra content down here so we can just type in our new text. Well, you could add a heading. Andi could do anything that you could do in a normal page. You can even include sub pages here. So let's just say heading and we'll just add another page. And now we have a page within one of our notion database entries. So this again allows for really, really deep, deep nesting and for really powerful applications, as we'll see as we progress through the course now also know that these are also connected with each other. So if I, for example, select, it had changed the number to $100 instead of $65 and if we then go back, you'll see that if we scroll to decide, the number here has also changed to $100 again, if you are kind of struggling to keep up, just take it slow. It's a bit of a learning curve to get to know notion and to figure out how it works. But once you get the hang of it, you'll just find that you have so many options and that you have, uh, so many ways to really improve your workflow. So just keep trying on stick with the videos and really, really sure that you'll figure it out again If you have any questions. The Q and A section is therefore U s. So feel free to as ask any questions if you feel sacra, if there's anything that you I would like any assistance on now. Another really powerful database feature, that notion has, is the ability to change of use. So pretty much notion stores these entries in a way that they can kind of change around how they are displayed without changing the contents. So you have a really flexible way off displaying the same data in multiple ways. We'll look at how it works right now, so if you see up here, we have the table view and if you click on this, you'll see that there's several other views that we can use. For example, we have a gallery view, and the gallery view shows us our entries. So the recipes that we added in this beautiful kind of like portfolio gallery layout with a big image and small text, and it's just another way of looking at it, you can just way more visual. And for some use cases, this is maybe the preferred way. How you want to look at this. Also, there is the border you. So this is again another view, which organizes the contents off the database in Cambon Butte, then organizes them by a different group So you could group by Rosine. We could even crew group buy rating. So we have the five star rated recipes were here four star right here and then the three star off him, and this again is just a really nice view that can help you get make more off the information that you have. For example, this is really, really ready for project management or, for example, I use this to plan out my online courses like this one, which again I'll show you later in the cause as well. So stay tuned for that. Then there's two more views. We have the list view, which shows you all of your database entries in a concise on compact list. Just nice to have a president but minimalistic set up. And to get a quick, quick overview over the entries that you have all the recipes that you have in this case. Lastly, we have the calendar of you, and this view just allows us to see the database entries that we have on a calendar. So this gets populated, depending on if your database entry has a data sent to it or not. So, as we see right here, we assign these states to these through these different recipes, and that's why they will be displayed right here and you can just click on them again. And then you will get access to the recipe that we added to a database and you can change around the media for properties and the values for properties, and there will be updated in the database as well. You can also drag them around. So if I wanted this to be on the ninth, which is today taken just like it like this, and it changes over here. The same actually goes for the other views as well. So, for example, on the board view, you could just move this recipe to be a forced, Uh, and then the value would be automatically reassigned, depending on the changes that you made back to our calendar. Example this, of course, doesn't make much sense with our recipe example that we used earlier. But for example, if you want to have a content calendar on def, the individual that is entries that you have our posts that you wanna post on different platforms like the interim post that you want to schedule or the block article that you want to write all the YouTube video that you want to plan and you then use this count of you it can be really powerful. And it can really replace tools like Google Calendar for this kind of content counter planning toe. Also, you could add your continent years into a can ban board while you have an idea phase. Then you have to move these cross to the kind of the section the column Wait, You work on them, and then you have finished column, and you can do project management with that. So it's really powerful for a variety off, different use cases on, um, I hope that it comes across how how powerful is this? In many, many instances, one more little thing about databases is that they can be both in line and they can be their own pages, which means the online case that you can add other content to the page. In the full page case, you can't add any more content to the page, so the page is pretty much just the database forgettable. If you have really big databases where you don't need any additional context on the page, I'd use the full page report base while, on the other hand, if you want to at a small database in between other things, I just used the online database. I'll show you how to do this on a resource page where we are right now. I'll just add in in line database for typing in line and scroll down. You'll see a contract, the table view in the inland version, the board view gallery view list view and cattle of you. I'll just use the table view and you'll see that we have this in line table that is just half half the width. Because we have these two columns, they will usually be the whole with, But it's definitely inland database because you can out of the contents like he is, which you couldn't do. If it was a full page database, that's it. For now. I hope that you were able to understand the basics off databases I know that very basis can be a bit hard to wrap your head around. But again, just take your time. If you need to kind of pause and digest all the new information that you got, take your time and I'll see you in the next video. 8. Databases: Filtering, sorting & other useful options: Welcome back. Now that you have a basic understanding of how a notion databases work, let's look at some additional features that can help you leverage the power of the basis even more. Let's get right into it. So in the last video, we talked about properties and how they can help you organize your information in databases . Now let's look at the recipes table view again and you'll see that we have all of these properties right here. If you now change the view to the gallery view, you'll see that not all of these that all of these properties actually appear on this page . Another. All of them are shown right here. And this is because you can toggle these properties on and off in different views so that you only see the information that you actually want need. Let's look at this on the top right here. You can click on properties and you'll see that there's all of these properties that we have, and most of them are turned off. So if he actually wanted to add up all of them in, we'll see how there's more and more properties appearing and not much happening because we didn't fill out all of them, but we could actually add in all of these if we wanted to. But we could also get rid of all of them if we would just wanted to have a really, really basic and plain view. And this is really nice, because in some cases, like, for example, in our case right now, if you go in the table of you will see that we have all of these properties that we probably won't need to look at all the time so we could say right, we don't need most of them. We could just hide them and only show them in the views that we actually want to see them on. Also, because you might use different views for different kind of purposes in different tasks. Because in the end, you want tohave data in your database and then you want to have specific entry points that you just have a glance at the data from using filters so that you only see in the data that you actually need to see. This allows you to still have a good overview off your data. If you have massive amounts of data in there, especially if you're trying to use notion in your team. This is something that will be really helpful because at some point you will lose track of all the entries, and you will have to have a system in place that allows you to easily see the data that you need. Another really helpful tool that notion gives you is the ability to filter out elements. That means that you can have a look at a specific subset of your data, and you can hide off the information that you don't need, so we'll check this out. If you click on filter, you can just add a filter. And now we could say, for example, we want the cuisine to contain Italian. So now only the entries are shown where the cuisine has Italian written into it, or, for example, we could say not the prison. We want the rating to be five stars, so we only have one FISA recipe. Let's look at the four star recipes, and now you see, we have to force the recipes so we actually have 3/4 of recipes, and this way that the other data isn't lost. It's just not shown because it doesn't meet your criteria, and you can also add more than one. So you could add The reading is four stars filter and then you could say the name. Let's let's say the what do you want to do? The prep time is average. There's not any entries in there. Okay, let's look at short. Okay, so now we only have two recipes and you can even add in another filter. So let's say we want our, um what do you want to choose? Let's just say that the link contains some value will say BBC because both of these are BBC recipes and other one isn't so. If we say BBC will only see these two BBC recipes, and you can do this for any property so you can filter out for any property that you have, you can filter out certain values. You could say I only want to show Thean entries that do not have this property on the do not happens value. I only want to show the purpose that have this value and men you any other options. Just having a look back again, you can say, as you see in the reading option we have here reading filter we could choose is is not so. Reading is four stars. Running is not four stars. Running is not empty or is empty. So if we have no rating set for a certain recipe, then these would be shown. If he said, reading is empty on in, Freedom is not empty would only see through the recipes that we actually gave rating to again. This just gives gives us the opportunity to look at the same data that we have from two really different perspectives just by using filters. Now we can even take this to the next level by including a sort into our database so we can sort by a certain value. As you see Right now, we're sorting by cuisine, sending so it goes from five straws down. We could say we want to sword by my name. So name ascending mean. It means it starts with a and it ends with W. We could also say descending or we could choose. Cuisine is descending, so this then looks at the cuisine that we have. Sorry, dude, I thought that's added back in again, cuisine ascending. And as you see this looks at the order that we actually put these different values in. So if he would move the Italian value, which is now the top value to the bottom, you'll see that the lasagna entry that we have moves the bottom as well. And now, as you see Italian is at the bottom, one more features that databases have, and that's especially useful if they're really big, is that you could search through a database. So if you have a database that has, let's say, 500 entries, you have five different recipes, and you are searching for a specific recipe that you know exists. But you can't find a quick way because you have so many different entries. Use this to find a specific one. So, for example, we want to find our Thai fried fried prawn and pineapple rice. If you just happen tired, this gives us the corresponding recipe. Now there's some more options for the gallery view and also the board view that will go over Now. This is something you'll find the properties option field, and you can change the card preview, which means you could change what this image does. You could say you wanted to cover the page, you could say You want that to be the page content. You could say that you want none, so there's no image shown, no card preview shown. But usually you wouldn't want to change that because it just looks nicer. If you have the page content on there now, you can also change the card size so you say you want a small cart sized, which gives you just a bit more of a compressed look. You'll be able to Seymour recipes in your view, because they had just crammed in a bit more. Or you could say you want large, larger getting the these large ones again. And so it's a bit more than a bit more space. This just depends on your preferences. I usually don't. I usually don't play around with those options too much, but the options there if you need to. Now the last option is the fifth image option, which pretty much says, Do you want to image to fit inside the box frame, or do you want it to be in the original dimensions as it was in? Because he's as you see, these images were originally square images, and they were resized by notion to fit in the box. I usually like this fitted for a much better, but again depends on your preferences. Next, really useful feature is the database lock option. So if you click on the top right option menu, you can say database lock. This only works full page databases in this way on what this does is you now won't be able to edit any off the properties and the columns and the order the filters etcetera for your database because their base is locked. And so this allows. It doesn't allow for a new further changes, which could be really helpful if you're working on a product together with the team and you have the structure down, and you only want them to be able to change the content. But you don't want them to mess around with the layout that you created, for example, now again, really, really useful feature. That notion data bales have is the ability to have templates within databases, so you can have a template that you can add into each off your database elements of their of age based pages. So let's look at an example for this. If we click on this drop down menu here on, will check out this test template. This is just attempted that, like a test template where we can add in test template a title. We could pre check or pre fill some of these properties if we wanted to, and we can then add this into a new entries. So if you create a new entry right here, we call this test recipe and we click on it. Scroll down. You'll see the option to add in the test template right here. Eso If you click on this, you'll see that the content that we added to our template appears right here as well, and that the properties will be filled accordingly. So another extremely helpful feature that notion has to offer is the ability to create templates within databases. I'll show you how this works right now, so in a recipes database will just click on this blue drop down and we'll say, create new template. Now we call this our test template, and we will add in some of the properties for our template, So these will be properties that will be filled in for every database entry where we want to import this temple into. I'm sure you will get what I'm saying in a couple of seconds. Just hang with me right now and I'll show you how this works. So as it says appear, it says you're editing a temple in recipes. So this is a database. Templates within there is tempered within this recipes database. Now we just pre select the cuisine and some of the other properties. And then I'll show you what this does when we import template into one of our pages. Would you said they way will add a number just a random number that really matter that much right? And then we'll also added in some bullet points. So would you test one test to test three, and then we'll just create that's risk rating heading for ingredients as this is our recipes that obeys and another heading for instructions. What do you be Instructions. And then we'll create some bullet points to go with this. So just adding something like flower well, think water eggs makes everything together. Now this is obviously not a template that doesn't make that makes much sense, but it's just to demonstrate how this works. So let's go back to our on that we have to. I have to edit it again that they know which was the actual template. Okay, so we'll call is a course test template. And now let's check this out. So we we will create a new database entry right here, and we'll just call this our new recipe. And now we open it up as a page, and if you scroll down, you'll see a couple of options here you'll see press enter to continue with them to page or pick a template, and we want to pick a temporary. In this case, we could go in here and just add in the things that we add into a template each time manually. But what we can do as well is we can just click on the course test template, and now you'll see that all the things that we added into the template will automatically appear in here as well. So we don't have to fill in all these values all the time again. So if you have a set of kind of pre defined values where you know you have to create the same thing over and over again. Have you have to create this kind of entry over and over again? Just use a template, and then you can use it every time if you want to cried similar things. Another really useful example of this is when you have a content calendar and then you just add in templates that content counter database, for example, for a YouTube video outline or a block article outline or a podcast notes Instagram caption instagram post with caption with Hashtags, and you don't have to do that every time. Manu. You created Temple once, and you can import template into any off your database pages. So now we'll come to one of the last creatures that we haven't discussed yet. And this is some of the basic basic calculations that you can do with databases. Will just have a look at one pretty simple example. Andi. I think that should be enough to get the point across. So we're now in my personal work space. Eso If you wonder why all this sounds like gibberish to you, it's because it's German. On duh, you probably don't understand, but it should be enough to get the point across. So this is the habit tracker that I use a routine and stands for habits. And these are the different habits I want to track. I have all these different days I want to track them on. And now this. This is a database, actually. And now what That raises offered to me as a feature is that you can count down here so you can count how many of these checked boxes have been checked. And so I always know how much off the habits I have done. How much have I achieved? How many have I left out based on these percentages that I have done here and has various other use cases for this? But this should be That should be enough to for you change to understand what it actually does and our works. We'll go into a bit more detail on other implementations of this when we get to building advanced projects with the notion. Now that's it for the database theory. In the next video, we'll get right into building actual applications. You will get your own experience working with databases, experimenting with them so that you actually again the confidence to build out your own productivity system with databases on bond. Yeah, hype. So let's keep this going and see in the next video. 9. Project: Creating a meeting notes database: This is your with your first project using notion databases. That's running now. We'll set up for the whole page and we'll go to a meeting of age. There. We were just talking slash again, and then we will a list in line list. We'll call this meeting just getting all these default like slate on. Then we will create you, Which will be now we will go back to this issue and we will add properties now, something that you might notice here is that property don't show up here to the public option. That's because this is in line database and on line databases these properties beneath this . So you think of this and then properties way that thief old tax credit. We will get rid of this. Next up, we have designed tools. So, for example, framer or envision, you can use these to directly add in these kind of prototypes or other kind of design design sketches or kind of wire frames that you created at an Adam into your notion workspace. For example, if you will work with clients in such a notion workspace, or if you share these with your team inside there, this is a really nice option. That notion gives you two to really enhance and enrich your notion pages. This also works with other tools, like Fig, MMA or Miro or abstract. But I have connected them together using these relations. So if we go to the main view on, we go through this column so we see if the goal is reached or not. What the goal is the category, the milestones that are related to it, and this is already the relations. So this pulls in. The entries from this monthly goals database will change that to the overview for now as well, and we'll scroll over there and we'll see that it says related yearly gold properties right here. So the weight is pretty much works is you can kind of link this entry or every entry in one off the databases toe any other entry in the other database. And the way I use it is I have a unical, a big yearly goal that I wanted to achieve. And then I have smaller monthly goals that, um, kind of like sub goals and sub tasks. And that's why I have several different monthly goals and quarterly gold's related to one gil ego, which helps me make that connection between my short term efforts on my long term goals. Now let's take a look at how this actually works when we're time to implement it. So I'm here in my goals page. But they are in a separate database, and there's a way to do this within the same database, to create this parent child relationship between your to do's and goals and I'll show you do is right now. So I want to achieve this. You just create a new relation. Well, just click on this and then you'll choose the same database at that you're currently in. So in this case, the yearly goals database. Now there's two ways to do this. You can either create a new property, which then sinks in both ways, or you could use the same property if you don't want any sinking between them. And if you only want you could see the parent child relationship, I'll just show you what the difference is by creating both of them. One. So you see what actually changes. So first will create a new property, and then they create relations, and now you'll see how that have appeared to columns. So this is because we now have this two way sinking, and if we enter one of these entries in here. We'll see how it thinks in both ways. Well, I'll just show you how this works. Let's just say money, euros, and we'll say Area of lives financial. And then we will add a, uh, relation here. We'll delete this relationship with itself because we don't need this right now and we'll add a new property that is a relation a roll up and we'll name it. Um, progress. No, What we want to do is we want to track how much in percentage of our goals we have achieved . So in our case, we want to lose five kilograms of weight, and we have these kind of three lower level goals that we need to achieve. So we want to see if we finish for you finished one of them, we would see that we have a 33% goal completion rate. This is nice to kind of visualize the progress that we made to have this kind of as a motivation to keep going. So what we need to do in order to be able to achieve this is we'll go into our month legals database and will add a new property and will say, finished question Mark and we want this to be a cheque books. I will put this at the beginning and make it a bit smaller. And we'll just check one of these two using the example right now. So now we can go to this progress roll up will select an existing relation. So the relation to the monthly gold celebrates down here and we want the property to be finished. And the calculation. We want to be percent checked. And now you see, the automatically calculates the percentage off tasks that we actually checked in our monthly goals database that are related to this goal. So we can use this to precisely track how we're going along with the goals. Are we completing them, or are we not on track to reach our goals this year? Andi. Now, if you let's just make this example even more clear. If we check the 2nd 1 you'll see how it updates to 66.7%. If I check all three of them, I'll have 100% goal completion rate. And this is basically how these roll UPS works. You can perform these basic kind of operations on properties, that you have another database and on relations to visualize data on to make a life even easier. Notion formulas: in this video Bill Cohen notion formulas Notion formulas are one of the most advanced features notion has to offer, and they are a bit more niche as well, so you probably don't need them. But they can definitely be really, really, really helpful. Basically, it's about performing mathematical and programmatic ALS operations on your database, properties and database data. Now again, you don't need this, especially if you're just starting out. So have a look at it and see if it's something that you maybe see a usage in. And if not, then you could skip this part. But if you're, for example, a bit into programming, if you have an understanding of JavaScript or other programming languages, then this will be really, really easy for you. So let's just get started. Also, if you're familiar with Google Sheets or Microsoft Excel, then you will probably be quite comfortable with these operations. I'll show you an example of this works right now, So in our notion dashboard, let's just create a new page on. We'll open up that page and we'll call it notion formulas. Now we'll create a table database in line Table data is and will make this full with Paige , and I can delete these calls that need them, and we'll just call this notion example one. So let's let's just think of an example where we could use notion followers. So we said, Let's say we have a project where we have a deadline and we want to see how many days we still have left until this deadline is over. So how many days we still have until we have to finish, the project will call this just launch company website and we will add a date to it. So this is deadline, and we'll just say this is in two weeks. So now it comes to the formulas part. Well, just read a new property that's called Days left, and we will add a formula for this now, since I haven't explained to you the basic technologies off thes notion formulas, I'll just enter the formula, for you will learn later how this actually works. All right, so now I credit this formula. As you see, this is the formula we're using and click done. We'll see that now we have still 13 days left until our deadline expires. You learn how this works in the short time, but just so that you know how notion formulas actually work and what they could do. So now let's talk about the basic terminology off these notion formulas. We'll create a new formula feel for this. We don't need to name it because it's just for demonstration purposes and we'll click on this. Now you see here that there's this scroll down menu with some operators constant properties , etcetera will get Windows one by one. So don't worry the 1st 1 the first type of basic elements that notion formulas has is these properties. Now, this just uses the properties that we have in our database. So in our case, the name, the deadline and the other formula we created that calculates how many days are still left to finish the project. So in notion, they are written in the form off prop, and then you have braces and then the property name. So, for example, if you wanted to mention or use the deadline property in this formula, you see right here the syntax would be prop and then braces. And then the deadline in quotation marks. If we now just use one of these formulas. Let's say that that line Onda, we will just use this as our whole value and click done. You'll see that it just returns the value that this kind of property has for each of the columns. So this is how we could use this in a formula. Let's go back to reading the formula and let's talk about the next kind of basic element. And these are constants. So we have a e pi true and false, true and false address. They just returned, true or false as a value and can be used for these logical operations where one case would be true and another case would be false. In depending on if it's true or false, you can then have the formula, perform various calculations and do various things. E and pi are just mathematical constants. So if he actually want to use these notion formulas in any mathematical or a bit more complex, enough medical operations like you would be able to in, for example, excel, then this is something that might be interesting to you. Now, back to this true and false variable, they are actually displayed as check boxes so they output a check box to the formula field . That's the others work. So if you just type in true, you see that the column automatically evaluates to this checked checkbooks. If we type in false, you'll see that the check box isn't checked. This is the really helpful feature that we could use later to filter through our database. Now the next basic kind of term that we have to understand for notion formulas are the notion formula operators. So these are down here, and they are things like more complex things, like if statements but also something like subtract, multiply, etcetera. So we could use these for basic mathematical operations within our notion. Databases. Eso You could just say four plus four and you'll see how is evaluates to eight. He would replace this by by multiplying the tune, and now you have 16 as your value. Now there's multiple ways off writing down these properties. You could, for example, use these actual kind of formulas so you could say add. And then he could type in these numbers into the parentheses, so just type in 13 close this and now this is added up again. This is pretty much the same as saying one plus three. The if statement operator is also really powerful tool in notion formulas. I'll show you how to use this right now, so we'll just three the content of this formula on. We will rename it. We'll just call it stabs Now. What we want to do with this is we want to display a certain value, depending on if the projects overdue or if it's not overdo yet. So what we have to use for this is the if statement, and this encompasses the whole statement. So now what we want to do is we want to display certain sentences based on if the deadline is already overdue or if it's not over yet. So what we have to do for this is we'll use the if statement and we'll use some of the terms that you might not know yet. But you will definitely go over these letters well, so well. First say if and then we'll say that line is bigger or equal to now and now is a a function in in these notion formulas that will go over later. Then we will display a certain value so we'll display. If this true, this is true. That will just say overdue and if not, will say there's still time left. We'll close it off. And why do we do this? So this thing is comparison. Operator says equal to or larger, larger, equal to, and this is our positive value and this is our negative value. So now if you click on done, we should see it evaluate to overdo. No, sorry, my mistake. I changed around the comparison operator. It should be this way because the product isn't over yet. So the positive case would be if it's overdue. But since we still have time left means to change it around on our only. If the time of now is further in the future than the deadline, then of course, we want to say that it is overdue. Our notion functions and nursing formula functions. We use them in our example, but let's just take a look at some of them. So if you scroll down, you will come to this. Functions section and functions are pretty much a pre defined set off instructions that will be executed if you use them in your formula. For example, we have the length formula, and the length formula will determine the length off the input that you give it. So, for example, in this example, it says had a world and you see that this example is 11 characters long because these space in between gets evaluated as one character as well. Another function that you could use is, for example, the now function so the now function just gives you back the exact current time. We can just check that in an another top. That's just say, text. Let's change to formula and we'll just add the now property. Just take done and you'll see that today is May 10th off 2020 at 11:45 a.m. Or another function that you could use is the date between function. This is what we use actually earlier to determine how many days are still left. So I'll show you in this example how this works. We choose the date between function. We don't need the now function for now. And now we can choose a kind of a date range that we want to calculate the difference between. So for this last example, we used the deadline property, which is 24th of May. I will just click on deadline. And if you look at the the date between function, you'll see that it takes a first state, a second date and then the unit that you want to have this calculated in so you could display the difference in years, in quarters, in months, in weeks, in days, hours, and so on. So for now we will just replicate what we did there with the days left formula and will say , calculated the time between the deadline and now and want this calculation to be performed in days. So we have to add, in this days value at the end, close it off, and now you see that it displays the same exact value. If you change deadline to, for example, one week later, we'll see 20 right there, as you see in this example. So again, I know this is kind of complicated. If you're not into programming, this might just look like a lot of gibberish to you. But I can assure you that it's not that difficult if you just try to rep ahead around it and also notion gifts. It is really nice overview that you can consult whenever you have something that you can figure out or you just don't know if it's possible. Just look at these thes documentations right there. You'll always be able to see how they actually work in the documentation. Uh, so, yeah, we should check it out on bond. Now we'll get to some more advanced examples of how notion formulas can be used to perform high level operations and to really maximize their benefits. Now, of course, there is a lot to these functions and formulas on. You can do a whole lot with them. We can't cover every function, every property, every constant. But if you want to get even more in depth, I'll link a couple off resource. Is that out there for you in the description in our resource guide? This next example is really helpful if you have a serum. So customer relationship management tool with the notion. How it will work is we will have a database with potential clients or clients that we already have, and we want to contact them on a regular basis, for example, because they are leads and we want to close the sale. So we contact them by phone. Let's say every two weeks or every 30 days until we actually close that deal Onda. We will then check using notion formulas if 30 days have passed since we lost contact them on. So if the contact is overdue, so let's just start by adding and a database so we'll do a table for making in line. I will call it notion example, and for the name will just say client or plant slash lead. And we'll just add in, um, client one lead one. Let's say lead to And this will be the companies that we want to actually follow up with. Now we need a date property, which will be We'll call this last contacted, and this is pretty much what we will have to do manually. So we will have to enter in a date for this each time that we actually called the person. So we'll check this and refresh this each time. And since that today's that June 1st. So let's just say we'll choose some random dates for this just to make a point clear will choose one date in April on another one. Let's say mid May again. Yeah, so the next one will be the overdue property with a question mark, and this will be a formula. And now this is where we'll calculate have 30 days passed since we last contacted, contacted, declined, or the lead. And if so, this will value to true, and this will be checked. So So we see. And if we added 30 days to May 14th. We'll be on June 14th which isn't yet, so we still have time to complete this task. On the other hand, the tap the last contacted all the clients we last contacted in April should have been already contacted in May least until the 16th of May. And it's not this kind of messy, tiny field I want to put in this long, long formula. No, basically, what we want to do is we want to assign a visual state toe. All of these different tax on. What will use for this is the if logic, so we'll just go into this menu real quick. We'll use the if statement, and then we'll say, if this, if the value is for example, proposal accepted, then we want to display a certain a certain visual representation of that and then otherwise, if it's for example, first draft, then we want to display a different visualization for this. So basically, we want to use the if statement and then we'll say if prop what will change the name of this probably actually would say status. And now we can say if prop is status. If if the if the property status. Sorry I said that wrong. If the probably status equals two proposal accepted. This is what we actually want to check. If this is the case, then we want to display a certain value and otherwise we want to display a different value . So in this case, we would want to display the value off. Let's use this one here, use the windows emojis and will say Not this way. We want it to be like, This is this is the first stage will say this is 20% progress and this is what we want to display Now this will do the exact same thing for all of the other ones. And then I'll show you how this looks in the progress formula, actually, So next will say, if we can actually just copy paste this because it's just it just makes more sense. Project: Building an advanced CRM tool: in this video will build an advanced CRM tool that you can use either as a freelancer to manage your clients and your leads. Or when you're working in sales team in your business just to have an overview off the sales in the business that's coming in and much more, I'll just show you but what we're going to build. So this will be the status board. You will have thes different statuses where you can move these leads around. Once they close, you can move them into the closed column or in the last column. If you lost the sale, then we have a another column or another view, which is the outreach, overdue view. This is why you will see whether the client has to be contacted again. This is what we did in the last video when we talked about the notion formulas. It's you just use a similar calculation to do this, and then we have the by account owner view, so this categorizes thes potential leads by person. So when you work in a team, you can use this to see who is working on which sales, who is bringing in the sales and much more. Also, we have the monthly revenue view. This is where you will see when you made sales based on some calculations. Will do with formulas how much sales you made in any given month. The last few then, will be the table view. This will be the view where we have all our properties lined up. What it also see something like email and phone and everything else that we need to know in other to perform our calculations. So let's start by going to our notion home page and going to CRM and then creating a new database. We want this to be a table database, and we'll make this full with would close this down for now because we don't need it and we can work with this extra space so we'll call it crm tooled. Then we have the potential client we'll call this company. Makes more sense company. Will you need these to? You don't need, um, Then we'll have our contact person so we'll just have the name of this person right here in this column, and we'll have a status which will be a select value. We will have a priority, which will be a select value as well. This will have a higher priority. We will have a medium priority and we'll have a low priority. We will have closed and who lost as five categories will change the color coding around the bed because closed makes more sense in green and will make lead a blue color and will make lost. Great. Now we want to add one more property, which will be the outreach of a new property which is the same as we had in our last video . Again, it will be a formula that checks when we have to reach out to this individual lied again by doing a calculation, so we'll do this right now. We'll have the user formula, will have the last contacted property and will use the way have to use the date at first. So, they add, then we use the last contacted property. Then we add 14 days to this because we want, let's say, 21. Let's say 20 will contact our leads every 21 days every three weeks. So we have to say days after this and now we'll compare this to the current time and again , if this is bigger than the current time, then there's still time left. And if it's small in the current time, then the outreach is overdue. So in order to do this, we use the comparison operator and then the now function, and this then checks. If three last contacted date plus 21 days is in the future in the past, and if it's in the future that we still have time left, that this is false and if it's true. And the time is in the past and we have with this kind of deadline is overdue. Then it will give it as a check Mark. So you see that we have this last contacted column right here and for the one that says April 10th which is about a month ago. It's a bit more complicated. Basically, what we want to do is we want to check if the expected closed aid is within the current month. You could go to the bottom because we actually don't really need to use this. Um and well, hi, this Well, actually, we need to group right by a status and will hide the no status column. Sharing options & working with guests: in this video, we'll talk about the sharing options that notion gives. You would talk about how we can work together with guests and what the difference between team members and guests actually is. Let's get started. So first of all, we'll have a look at the sharing options within notion. You'll find these at the top of your screen if you click on share now, first of all, you could give public access to your notion page. So if you think if you activate this, the page will be publicly accessible by anybody. What you can change is if they are allowed to only read it if they are allowed to comment as well, or if the access is disabled altogether. Also, you can change if you want to, if you want this to appear in search engines. So if you wanted to be inexorable by such engines or not, and also if people can duplicate the page into their own notion account or if you don't want to allow this usually if you're just trying to invite a collaborator, this is not the way you would go about. Doing this. A better way is to invite a person This is a guest member, so it's not a member off your team. Members of your team have access to all workspace pages all the time, and they are paid, so you have to pay for them. But guests are completely free, and you can just invite them by clicking. Invite a person. Now you just have to enter the email address or name if they already have notion, and then you can change if you want them to have full access. If you want them to be able to edit the page, if you want them to be able to comment on the page to read it, etcetera. After that you just like an invite and then the person will be invited into your workspace . Now, keep in mind that this invitational and these permission levels always go down. So if you invite somebody to your home page like this one, what here they will automatically gain the same access level for all of the pages that are below this page. All this sub pages So somebody has full edit access to your home page will also be able to edit your content calendar, your meeting notes and everything else that is nested inside your home page. If you are on the paid notion plan, you'll also see the option to share this with your workspace. But generally speaking, you can turn off on the access to your workspace if you work with others in the team. But usually having these guests in your workspace should be more than enough. If you just need to collaborate on some specific projects, remember that they function pretty much as a team member. But you have to give them access to each page individually. But you will be still able to add them in as a user in for global database, and you can also mention them in using the at mentions and pretty much anything else that you normally use. A. A normal team member would be able to do the next video. We'll actually discuss what happens if you have a team and you don't just use this guest access for people to join in on a specific project, but what you can do if you have a larger organization and you want to structure your account for maximum efficiency 20. Notion team permissions: in this video, we'll talk a bit more about teams within notion and these specific controls that teams have access to in order to manage and organize the organizations. So basically, when it comes to notion, teams have usually members and they have at Mons, abdomens can change settings on address billing settings. Members can just access their pages so they can access that private pages and the pages that they have within their workspace. Each member has its own private pages, and they all share the workspace pages. Now what they can't do is edit the access levels, so adamant on the other side they can. They can edit access levels two pages. They can hide pages from a certain type from certain users. They can give permissions to other users, and also they can added the billing settings and overall workspace settings. Now it's always a common sense that you should keep the amount of admits that you have in your workspace as low as possible because it just reduces the amount of risks that you have . Usually what should be enough to have one or two admin? If you have large organizations that you need a couple more each team me. That could be an admin, for example. But usually you wouldn't need much more than this. Now again, each workspace member has its own workspace that is shared between everybody in the workplace, and they have their own private pages. Now they can just drag the private pages into the workspace like this. There is pretty easy now, another really powerful feature. That notion office to you, if you use notion with your team, is the ability to great create user groups. So if you go to settings and members ever see I am using this solo, but I have a couple of craters that a couple of guests in him. But if I had more work space members, I could go to groups. I could create a group and, for example, say Marketing Team. And then I could add a couple of my members to this marketing team and give specific access to a couple of pages that are related to the marketing team to only this team. So I could say for any given page, the marketing team has the admin level access they have. They can edit everything on, and maybe the engineering team only has viewing access. They can only see the page, but they can't actually do anything with it to kind of prevent that. There are any unnecessary and unwanted changes made to the page when it comes to this. That is a really good video by notion itself on YouTube, which I will link in the notion in the course Resource is now, let's look at some more options. That notion gives to its team users on, especially the admin of these teams. So let's go to settings members on Let's Go to Security and Samel and look at these settings right here. Okay, so what you could do is you can prevent members from sharing pages publicly. So let's say that you have a company and you have some confidential documents within notion that you want don't want to be shared publicly on. You don't want this to ever happen. So what you could do is you can prevent any member from sharing pages publicly. Eso that this will not happen. Also, you could prevent people from inviting guests because guests also would be able to look into your notion set up in your notion data. And if you have fear that somebody might get actually to information that is not made for him, but it's not meant to be in their hands. You can disable this well. Also, you can disable moving pages to other workspaces. This is the future. That notion has as well where you could. If you have different work spaces, you could move your private pages to another workspace. But this option disabled that. For example, one of your team members put created something while he was at the company, and then he wanted to move on anymore to keep this secret or whatever and take it with it with him to his next job. This might be a case where you would want to prevent this, and the same goes for disabling the export option. This just disabled the option to download any of the data from notion. The last option I want to cover is the auto joined function for bigger teams. So if you run notion through your domain and you have a company that has a specific domain , you can clear that remains that of anybody who has an email with that domain. For example, if you would choose if Google would where to use notion, you could have anybody that has a at Google address be able to join the workspace without any hassles without anybody having to manually add them to the to the workspace, which is an option that's probably most useful for companies that have actually hundreds and thousands of notion users on that one, too, prevent the hassle they have with adding each of them individually. Tips for teams using Notion: in this video, I wanted to share with you some of the tips and tricks I used to work with other people within notion. I personally don't use notion with a team, but I have worked with many guests with a notion on the kind of same rules. Apply their eso without foot or do let's get into it. The first tip is to keep the amount of work spaces that you have low. Usually if you have one company, one workspace is completely enough. Having multiple workspaces only makes sense if you run two businesses that are completely unrelated to each other or if you have notion at in your work space, if you have notions at work and you want to have a completely separate private space where you can just put in your private information besides from that, having multiple workspaces just makes things way more complicated. And it's also way more expensive than just having one singular workspace where all of your members are in. What I would suggest is instead of using workspaces to organize your company, use the team levels, the group's user groups with a notion for teams and use this to organize these excess levels integrate separate kind of areas with the notion that these separate teams have access to keep it, keep everybody saying and to keep the organization going. The next tip would be to use the collaboration all features that notion has, and this is first of all, using comments. So if you're collaborating on a project, for example, you're writing the marketing copy for your website, and you have multiple team members that are doing this. Use the comments Teoh right down improvements or to ask questions. And also, what you could do is use the discussion on pages. So on every notion page when you go through the top, like right here, you'll see this ad discussion. But and if you click on add discussion, you'll see that is discussion box pops up and you can just type in something. This is a comment and our people can just discuss, and they're like, basically like group chat for this individual page. You could do that on every page, and you have kind of central thread that discusses the project. You can ask questions right on improvements there as well, and just use this to collaborate with 50 members also definitely use the ad mentions to mention your teammates and also to set reminders for them. So if you have a deadline for one of your team members, if you collaborative project and you need his help or work from him or her back at a certain point in time, you can set reminders for another person. The way you would do this is by using the user name. So you mention a user and then on the same line you type in the remind. And let's just say tomorrow and now this user will see this in his all updates tab, and he will be reminded at the time that you set. The next tip is to use the database lock feature strategically, especially if you have a larger team. And you don't want things to move around too much if you have a set structure in place. I just used the database lock feature to prevent any unnecessary and unwanted changes to your databases and so that everybody can just use the database. The way was originally intended to be used. Now a more specific tip is when you want to use notion for team management of tough management within your team. What I would recommend there is to definitely include a property for the person that's assigned to do the task in your task database, because you want them to be able to filter through the tasks by task that they're actually assigned to themselves. They can then use this to build their own dashboard when I have a quick overview of all the tasks that they have to do, and it just makes organizing your team much easier. And that's it, for this video notion really makes it easy to work with teams. It's a pretty straightforward way. There's not too many complicated set ups that you have to do. So if you're planning on using notion of the team, I want to give you the courage to move forward because it actually really is a nice tool, and its gaze really well for seems of any size. Whether you have a three team members or 50 team members or 100 team members, notion can definitely the true for you if you I felt the right processes in the first place , 22. Project: Creating a content calendar: in this video, we'll build a fully fledged content calendar for you and potentially your team. This calendar will help you organize your content, create a publishing schedule on just keep track of everything that you're doing within your business when it comes to creating content and publishing articles, YouTube, videos, podcasts and whatever else that you do first, I want to show you how this actually works and what we're actually doing here. And then we'll get into building this out ourselves. So if we look, have a look at this content calendar right here, you'll see that we have this planning board which has these different steps in it. So you have on idea you have the creation process where it proposed and published, and you see all of these posts in here and he's gonna be dragged around just how we want them. So we can if we have a video and we want to move it from creation process to the range of post kind of column. We can do this on this will really help us keep track off where we are in our concentration process. What is being credit right now? What is being published on how we're doing for on schedule or not on much, much more. Also, we will have a different view, which will be the content counter view on. As you see we have these posts in here. You'll see that they are added in because we have dates assigned to them. We can see on which they are due to be published. Eso We always have a quick over look at what's being published right now. What's going out if we have credit is already so we'll see. For example, this video that is due to be published on Saturday has not been worked out. It hasn't been produced yet, so it's just an idea. And if it was a Thursday right now, then we would really have to keep get going that we can actually publish this than on the Saturday. So this also tells us if we're on track with the things that we're doing. Also, we have a view which assigns these by signing, so we see who is producing what content, how they are doing with the content. Creation will see that this is ready to post eso we see who is actually putting out content on a regular who's maybe slacking behind what they are producing content about when they do to republish the posts that they actually produced and much more you could easily add in a new group at a new assign me. Or, for example, if you said Well, the interview with the notion found a podcast blogger article should be moved from myself to kneels over here so we could just assign this to another person by dragging it across again. Also, we have the table view, which this gives us all of our options. We see all the properties that were signed. We have this status property. We have the publishing day property, the assigned creator platform and also some more things like this sponsor column, which would get to now because this also includes a second database, which lists are sponsors that these are just made up, these on actually and responsive mine. I wish they were, But just for this example, what this database does is it counts how often we were sponsored by any of these sponsors down here so happy we have to sponsors column, and we just add in a sponsor for every post And then we use relations and roll ups to calculate how many appearances we had with each sponsor. Andi. Using things like the average value for appearance, we can calculate how much we actually earned with any of these. Individual companies will see how much value they created for us on also how often they sponsor one of our posts. So that's it. Pretty much. Let's dive in into building this awesome cotton kalba were back in our own dashboard, and we will go to the content calendar. First of all, we will create a table database, which will be in line. This will be a content calendar, and we'll add some of the properties that we needed to it. So we'll have the post name. We will have the status, which will be a select. We will have the platform it we'll have the signing, which will be a person. The platform will be a select or booby actually a multi select because we maybe we want to have the same content. Peas go out to different platforms, and we'll just add in the values for each of these because so the status will be. We have an idea status as we saw earlier, we will have a creation process status. So I could definitely see myself lying all my courses, having all my posts, notion. But for now, this is all I do when it comes courses. But so I switched between different products itself to switch them around to move them around. These folders pretty much, and also have these structures in place that I just have to click once, and I have the structure for video already fill it automatically. 1,000,000,000. So yeah, courses, courses, my use cases for my work. Also, I like to manage my online marketing business with notion. I have a separate patron. Useful tips & tricks for Notion: in this video, I want to share some tips and tricks with you you can use to really become a notion power. The 1st 1 is to add custom icons to get notion account. Also, instead of saying credit by yourself, also beautiful content with somebody else. So if you have a contributor that might have might have credit a content peas well, Credit filter lets you choose a time range in which something was created. This can be said manually, and also last edited option gives you the opportunity to add a starting ending date to choose the only documents pages that were enacted within the last two weeks. The last track is pretty simple. I have shown you that's already but for example, in the sea around. And also what I think is useful is to hide these finish states. I just got some of the features that I think might be implement in the future and what that will do for motion. One of the biggest teachers that notion can build on will build probably is on a P I for other tools that can be connected into notion. And this is by far the single most powerful way because I don't know. It's pretty much interface for problem Tool. For some specials to interact with each other on would allow more more tools to be integrated with notion. For example, you could be a country think your Google calendar with the motion calendar. Thank you use. Or you could use next tools like Bayliss form to add leads to your actual and just much, much more. So this is by far the biggest feature that notion can implement. And if you're if you join Ocean right now, I'm pretty sure that this feature we'll bring you driving up by by far because it just it just makes all things that right now or perfectly in ocean, much more simple notion before perfect. But it's just a really great tool. And if they could figure out a great way to implement this FBI, I think that really great future also, some minor features that I think will be great in that I think will also be committed in the future is personal. The ability to have multiple tabs with notion because often problems. By now, if you work in notion, you often have to open up multiple tabs to look at multiple pages in your motion set up at the same time. So this will also be a great future and also something like custom made. So have a custom domain where you hold your notion on your company website, especially if you work with clients. This could be great, making it much more professional, much nicer. So I just think there's lots to come from the ocean and I hope that you're just the fact that I am. I think that notion in Long job will will replace many other productivity tools because just so just so powerful. And I want to say to these teachers, if you have a future that you want notion to build, you can actually conflict them and they will take this into consideration. Yeah, more people request certain future. This will really impact what they will do next.
