1. Microsoft 365 Getting Started - Intro: Welcome to this class in Microsoft office 365 set up. Or if you're watching after the 21st of April, just Microsoft 365 This is gonna be a very short class stepping you through how to set up a trial e five license so that you can learn how to administer a marks off tenant. We will use the skills that we learn in this class in future classes. What we're going to do today is set up tenant. We're going to add a few users to the tenant. We're gonna have a brief look at the admin center that we're going to have a brief look at the available APS and Platforms and then finally will do a project where we create a SharePoint site with a customized home page that you can show off in the project section of the class. Why take this class if you have been interested in learning about the platform but didn't know where to start? Because you don't work for a company that has access to the platform. Obviously, that's an entry barrier. If you are starting down a career path and digital space but want to build upon your knowledge. This is a great way to build if you are looking to re skill or up skill if you are an experienced I T developer, but you're new to the mark soft online world. Then again, this is This is a great place to start by playing around with the available products. Once we had done here, we have 30 days to use our new tenant, um, to play around in and learn new skills, which he would normally only be able to learn about working with the technology full time before we start, I must say you should never try to abuse the try a license offering. It is made for people to explore what is on offer and not to somehow run a business in 30 days. Prints use the trial as an opportunity to learn, but don't take advantage of it. That being said, let's begin. You will be able to find a link to the E five license page in the class project section, and the five license is the top tier off Microsoft. 365 Lessons is and gives you access to a vast array of technologies. The other licenses include e three. And if you're in education, a three and a five in future, we will learn some of these other technologies, including the power platform, which includes power, APS, Power Automaton or, until recently, marks off low power bi I. And then the most recent one. Added to that list is power virtual agents, but we will not look at power. Virtual agents and future classes will only look at the first three, but for now, let us set up our tenant. 2. Lesson 1 - Setting up your tenant: So if we follow the link that I provided in the class project section, then it will bring you to this page. Otherwise, if you Google office 365 e five, it will bring you to this page as well. Then down here on the right, you want to click on free trial, and then it will prompt you for an email address. Now the email address is to check if you've already if you're already part of a tenant. Now, if you're using a personal email address, you're probably not part of a tenant for if you already are part of its enemy. But you don't have any five license, it will still allow you to create one. So what I'm going to do is put in an email address we are going to hit next. It's going to say that we couldn't finish signing you up for whatever reason, etcetera, etcetera, we'll just create a new account before we fill in all of this other information. I would suggest you change your country before you before you add a business number, because otherwise it will expect a certain format, so just fill in your details as they appear on screen and fill in a company name. Decide a company size on. We just hit next. So the next thing you want to do is verify your you need to verify your number. Eso put in a genuine mobile number on you will need to get a verification for a code sent to you. So just wait for that to come in, and we can verify that. Okay, Now it's gonna ask you what do you want your domain to be called, So think of something unique. Um, it'll tell you if you can't use it, um, so we're going to check the availability of that on that is available. So we're going to say next and then we want to say the name of your email address. We want to put in a password, and we want to confirm your password, and I do not want to sign up anything and we will say, Sign up. Okay. So that's not going to create our account. And once that's done, I will be back with you 3. Lesson 2 - Admin Centres: Yes. So that has finished provisioning. I am just going to go to set up on a lot of this. We're just gonna skip through. Um, we are not going to connect our own domain so you can connect the domain that you already own. But we're just going Teoh exit and continue later. It's only a trial account, so it's not the end of the world. Right? So this is our admin center. This is our main admin center. We can get rid of those other two tabs. Now, you'll see that you've got a switch here, that you can switch it back to the old admin center. This is what it used to look like, But we want to. We'll just keep it in the in the new Adam Center. Ah, down the side. Here, you have got all your different options. You got all your admin centers down here. You've got your users. You've got different groups. The different roles that people can play you as default or a global admin. So if you click on global admin, you'll see there's assigned admin XYZ one. Because you set up the tenant, you are automatically the global admin off the tenant. Okay, so that's important to remember that your account at the moment has supreme. Ah, power over the entire tenant. Okay, You can also create global readers. You can click, create admin, exchange of exchange abdomens, and they'll deal with email you can deal with. You can create a help desk, add mons. You can create SharePoint at Mons team Admin server use at Mons. You can, you know you can. You can stay, create a bunch of different bunch of different roles for different people. What we're going to do to begin with is just create some new users. So you see, I have I have myself in here. We're going to add a new user. We're going to call them. Ah, James. We're going to call them Smith on that will automatically populate and then as their user name. This will be the main email address. We will say that they're going to be J. Smith. No, that's verified that J. Smith is a valid email address that hasn't been taken. We will then decide on our password options, so either we can ask it to ought to generate the password for us all. We can let us awaken. Let ourselves input the password and give them the password on our behalf. In this case will just do an altar generated password. We will then say that we want to have the password changed when the When the use of first signs in. I would always recommend this to make sure that the especially if you're doing ah, let me create the password eso That way only they know the password. We can send the password in an email upon completion, but we'll just leave it as is, and we'll let that go. The next thing we want to do is decide on the licenses for that, um, for this user. Okay. What I would recommend now is that we go to power automate Onda. We come Teoh this one down here. So it'll be called because Powell to make used to be called flow. If you type in flowed out. Mike soft dot com It will bring you to this page. What we want to do then, is we wanna just sign in and we are going to choose Ah ah, country and we will just say get started. Okay, so now when we will finish setting this up and they will come back in a sign in the floor license if we go next. And we don't want this person toe have any admin rights. But if we did, we could click add Vincent access and then decide what access this person has. Um, And you can you can go quite quite granular with us who were just going to say their user they don't have any admin rights. Andi, That's or fine profile info. We're not gonna bother filling any of this in, but yeah, this is where you put in the job title in the department, etcetera. But we're not going to do any of that because this is just the dummy user. And then we'll say next and we are happy with all of that on we will finish. Okay, We don't worry about this. We'll just close on. We do not going to do that. So now this person has been added to our out tenant. We can then also come into into the person's profile. We can reset that password. We can change their photo. We can. We can remove them from the allowed sign in list. We can delete the user, weaken, see information about their devices. They wraps their male. They won Dr Weaken Weiqing, get a deep dive into this person's profile from the active users. Okay, so this is this is quite an important part off the admin center. This obviously deals with your people. When you sign up for a trial license, you're given 25 licenses that you can you can administer. Obviously, yours is one. But then you consign up 24 other people to your tenant, right? So now that we have a flow license or, ah, power automate license, we can come back to James and we can click on licenses and APS, and we can add a mark soft power automate license, which is a free license. And this will include flow free and flow for office. 365 You'll see all of his available APS in this menu here. So currently ah, not all of the admin centers will have generated because tenant is still very new. But let's just make sure that I've got all of the appropriate licenses. Yes, I do, because I'm the one that signed up for them. But what we'll do is, we'll come to show all and we'll click on all admin centers. And this is where all the admin centers would be. Now you've got a few. You've got the main ones that we want to look at, which our power automate power. APS and power bi I. But what will also be included in here is marks off team's ah one drive business, Skype. There's quite a few ones that were missing at the moment. That should appear as the tenant gets provisioned in the background share points. Also not. Yeah, that should also get provisioned in the background. But what we'll do is to bypass this. It will come to the Appalachia. We will go to elapse, and we will scroll down and click on share point. Now, here is a little trick. If you come to the Ural and you type in dash admin and you clear away the rest of this Ah, you're all we'll just clear that press enter. This will take us directly to the SharePoint Admin center now the admin center in the main that this admin sent in the main admin center that the link hasn't been created yet and but for now, we can come here and we can flick create. You see, there's already a few sites that have been provisioned automatically. These are company wide sites, Andi based sites that we're not gonna worry about just yet. We are going to provisioning a brand new site that we're going to use in future classes now , ideally, for what we're gonna be doing. Ideally, we'd want what's called C. D. S or a common data service. That's a far better, a far better database for what we're gonna be doing. But due to cost SharePoint a good place to start and share points, a good thing to know anyways, so we might as well we might as well use SharePoint. We can either set up a team site. We can either settle a communication site now would recommend that. Ah, well, you have this tenant. You go and create one of each and you go and play with the differences and see the setups. The layout is slightly different. Um, is a few subtle differences between them, but the gist of it is that they're both SharePoint sites. Ah, I don't particularly I don't use communication sites very often predominantly I provisioned my sides through the other options page. If you create a team site, you tend to end up with a group behind it. And I don't always want groups behind my my team sites eso we're going to say other option . We're gonna say team site. We're gonna call this, uh, first sight because we're original. We can have spaces are in this in this top section and you notice that the Ural has bean automatically generated for us without spaces is also done a check to see if he application if the name is available at which it is so, it's happy that we continue if you want. You can edit this if you don't want it to be called that so we can call it whatever we want . But we went well, just will just leave it as is then the next thing is, it's gonna ask us who is our primary administrator Now, In this case, the primary administrator is me. Okay, um, on. Then we can choose ah, language. And we can also set the advanced options, which at the time zone to our current time zone and that'll that'll set up with our current times is all out. Dates on times will be set up accordingly. Now, in the SharePoint video, I'll show you how you Congar past having to do this every time besetting the default time zone for your talent. Well, for your SharePoint ah environments. But for now, we'll just set it manually to that, so we'll finish now. This will take a little bit of time to provision in the background and you'll see we have a little wheel here telling us that how SharePoint site is being created on their this. So we click on the link and that will take us directly to the SharePoint site. 4. Lesson 3 - SharePoint Overview: So SharePoint, if you haven't worked with it before, is basically made up of lists and libraries so you can create a list, and it basically it basically behaves similarly to a an Excel database or on Excel spreadsheet or an access database in that it's made up off columns and rows so you can insert different columns on. You can insert different rose while, as you insert data rose will appear. That's a neuro has appeared there. Andi, it basically is. A table is a basic table, so that's a list. A library is a document library, so this actually create a document library for you. When you when you set up the site and you can upload documents, you can create new documents. One note notebooks, etcetera. You'll notice that it also creates a one note notebook for you to begin with. Eso. You can use that straight off the bat, but otherwise that's the structure of of SharePoint. Now there's a lot going on in the background that you don't necessarily always see. You can get to the side content either by the settings menu or wire this creditable menu on the left hand side here, which we can edit now. Depending on who you're making the site for, you will either remove, include add new stuff, change it out, etcetera. That's entirely up to you. You can drag these around. You can remove them, will actually remove the notebook. We will remove the site content. And then what we'll do is we'll take the pages to top and we will make the documents a sub link on the list. A sibling. And if we say that this is now a collapsible menu, okay, now you also have a recycle bin that you can that you can go to. The retention policy on SharePoint if I'm not mistaken is 90 two days for content. It's also 92 days if you delete the site. So if we come to delete that site 93 days ago, sites are retained for 93 days now. Within that time, if you delete the site, you can't create a new site with the same name with, say, mural. Sorry if it's still in the recycle bin, so if you want to create a site with the same name, you'll have to come and delete it from the Recycle Bin. One go into too much detail with SharePoint now. But now that your sights set up, what I would recommend is that you populated with a bunch of data you m play with the different columns. If you come to the settings menu at the side here, you will see less settings. Or if you come to the document library, you will see library settings. So that's how you can tell what you're in. So we'll come to list settings and hear all the background, the background settings. So this is information about your columns, what they are. You can create columns from here. You can rename them as well. You can decide as to whether they're required or not. You can set the maximum characters. Ah, and you can do a bunch of other stuff. So play around with this. You, um you can also rename renamed the List you can. This is an important one. If you come to advanced settings, you can decide as to whether there are attachments and answer Will disabled attachments on . The other thing that we can do is we can decide as to whether people are allowed to do quick editing or not so quick editing is the ability in the list. All right, come in in the list to edit like this, right? So if we want to turn that off and only allow people to come through the item itself and edit the item within this form that gets created, then we can come and turn that off in this menu. So we'll save that. Wait for that finish loading, and then we will refresh this page on. And now the the attachment is no longer an option. And now you can't edit this field in any other way other than going through this form. Okay, so that's a way. If you've got if you've create, if you create a form because you can you can create customized forms within SharePoint using power ups. If you have data validation happening on your form and you don't want people to bypass that , you can use that setting to prevent that from happening. So that's an important thing to know as well. But now that your SharePoint site is set up, um, we will use this in the future that for now, let us come to elapse. So these are the apse available to you in your tenant of See, you've got the normal ones Excel Word, PowerPoint, outlook, etcetera. You've also got stream, which is a video service. You've got forms, which is a forms builder. You've got one drive, which is personal storage. You got SharePoint, which is a collaborative storage. You've got teams which is replacing Skype in the future. So Skype gets deprecating. Will should be getting deprecate ID. And I think July next year. And so teams replaces it outright. And to be honest teams is much better. You've got power ups, power automate power bi I, which is the power platform. The power platform is a low code, no code solution to allow you to develop applications, automate processes on, analyze business data. 5. Lesson 4 - Finishing Up Our Tenant: one last thing before we finish off this class. Like I said, it's a very short class one. Last thing we need to do is finish are set up. So what we're gonna do is if we navigate to portal, have a portal dot office stop. Come. This will take us to our main app page. So this will have the admin center, the power platforms, the power platform maps, the apse, excel word, etcetera. What we're going to do is come to the admin center. We are going to click on set up in the left hand menu, and we're going to click on Guided set up. Now, this will take us to that very first page that we saw when we enter about 10 and the first time we're gonna click on, continue using, um, that one of your tenant addresses and we'll say next and now it's going to give us the option to bulk ad uses. Now you can see we've got 23 out of 25 licenses left, so let's just add a few more users. So we'll call this guy John. Uh, doh on his user name will be j does on Ben we will put in Ah, Catherine, we'll have another Smith all the Smiths many Smiths So k Smith on we can put in Ah, Meghan Cloud And we'll do this m and M because I'm a funny person. Right, So we will, um, go next. So ah, on this page, you can tell the users about their details. Eso either you can You can email the details to them. You can download this A C S V file and that will give you the temporary passwords on their user name. Or you can print this off, but we will. That's let's download this so well done with CSP file. That'll that'll go to my downloads. Andi. I can then administer that as I please. The next ah section will be about teams in your organization. I'm not going to set up any more teams. I'm just going to skip through that. We're not gonna install any APS. We'll just skip through that and then we will go straight to the admin center. So this will take us back to the admin center where we started a couple more things before we finish up, one of them being I'm gonna show you where you can change your tenant details regarding time zones on languages and dates, etcetera. Now the thing with Microsoft is that it can take, you know, 24 hours, sometimes to actually provision everything within your tenant. So this isn't currently loading properly, and it's not saving properly. But eventually, when it decides to cooperate with us, we would click how preferred Type C time zones currently knocked loading that we would choose. Our preferred date format would choose our preferred time format, and we'd save it. But currently that's not allowing us to do that, so we can come back to that at a later stage. But that's where you would get those settings is just in your admin center in the Settings page. Another thing that we can do is if we come to the active users and click on a user. If we come to the manage email aliases. If you have loaded a another domain name into your tenant, you can change the email address alias for an individual. So you could. So if you had, um, at info dot com or whatever, you could change this so that when the email goes out Ah, the email would come from a une email address that actually makes sense two unit to your company. It doesn't have this on Microsoft dot com. So that those on mark soft dot com email addresses, they don't go away. They stay within your tenant, But you can redirect the mail to to an alias, and you can allow people to sign in with an alias. Okay, um, and then one last thing that we want to do is we want to set up our mailbox. So if we come to Outlook, um, we choose our default details and save that this will set up our mailbox, and we can start interacting with how clients and with our stuff. So here is our mailbox set up. And these are just some welcome emails, um, welcoming us to the tenant. And then this is an email that was sent to us about our first uses that we that we signed up. So there's their temporary password and their email address. So if we want to do, we could redistribute this information to them via another means because obviously they wouldn't have the details to get in to get this This information if it was emailed to them . Okay, so that's that's something important to do as well. And then the last thing we're gonna do is if we go back to the admin center and we show all we come down to will go to the old admin senses just so you can see that they will now being provisioned Onda, we will go to SharePoint. We will go to the settings that we will go to side creation. Andi. Then we will change this to the time zone that we want. Because otherwise every single time you make a SharePoint site, it will provisioned it with the default time zone, which, if you're in America, is fantastic. But if you're not, it's quite annoying. So we'll save that right. So now that that's done, we can now move on to a small project that I've put together for you. I'll give you more details in the next video 6. Setting Up Chrome Profiles: have one. If you have any issues with your browser story in any other details other than your log in details for the class. So if you're storing work details of personal details and obviously you don't want to sign in with those which you can do is either use a different browser if you're not using chrome , if you're using edge or Firefox etcetera. If using chrome, however, you can set up different browsing profiles. So what you do is you come up to the top yet on there's a little icon. Click on it and you'll be able to add a new user. Would you do it? Just give it a name. Give it a Nikon and then you just say You can choose the added to dust up and you can just say ad, and then it'll set up a new browser for you. And when you come back to this icon, you'll be, ah, set up and you'll have another user available to you when you are going into your to a profile. So that's just the way that you can separate out. You're different uses because of this. This this is an entirely clean profile you can see if I come to portal now, it'll ask me to log in, and no user details have been stored in this in this instance of crunk. So that's just a useful tip if you're struggling with cashing of browser data. If you don't want to set up the user profile, you can also browse is a guest. Or you can also add an incognito window or a private window, etcetera. But just be aware that sometimes those instances can actually cash Data's, well, cash information as well, so I would suggest setting up chrome profiles personally. 7. Project - Outline: right, Because SharePoint is going to be the foundation off all about other classes in the future on all of our other projects. Your project in this class is to put together a SharePoint site. But not just any SharePoint site. It needs toe have some sort of value. So we're gonna put together a SharePoint site about your city. So either the city that you currently live in, or the closest city to you. So remember to come to the SharePoint Admin Center. Andi, you want to click on create, And once the creator site pain has popped out, you can click other options. Anti aside. Name. Remember, to add yourself is the site administrator Select your language and then in the advanced settings that should now be defaulting to your current time zone because of the setting that we fixed in a previous video. Once you've done that, you can click finish, and then the cycle provisioned itself. And then when you're done, you can navigate to the site. Andi, what we're gonna do is create a home page in dedication to your city. So we're gonna add a weather widget a time widget. We're gonna add a button to grab the look. The latest news we're gonna add, Ah, being map plug in. We can add a picture off a tourist destination within your city and then at the bottom. We are going to add a navigation hero, which is basically an interactive control that you can link to other parts of your site, which will allow your users to interact with more prominent data that you decide to display to them. So we'll do that in a sec. But before we do, we need to take a look at the lists and libraries parked behind the SharePoint site. So in the left hand navigation, I've added a list and I've added a document library, which I'll show you how to set up in a second. But before we do that, we want to change our logo. So if you come over to the right hand side here and click on this little coke, we want to click on change the look, and then come to Hedda. Andi, you just click on change, select an image from the file Explorer that pops up on. Then once you selected your image or click save on, this will load up 8. Project - Fixing Theme Issues: Now, if you encounter the problem off, reloading your site and your image doesn't change properly. Uh, if you try to come to the ah settings called again and change the look and click on theme, and you end up with this banner here, then, unfortunately, it's a little glitch within SharePoint that sometimes happens. So what you need to do is come down to classic change the look options. It'll bring up this page here, click on page title. So this 1st 1 and then click on, Try it out. Now, within this, if you want you can. You can actually add a background image to your site on DA You know, it can be quite nice to add a watermark to your site, but I leave that up to you so it will give us a preview of the site. Andi Weaken. Click on. Yes, keep it Now if we come back to my home page on, go back to the Settings menu and come back to change the look. This theme has reset itself, so this happens every now and then. It's it's a little bit irritating, but if you just go through those steps, you'll reset it on DA. You won't have that era happen again. 9. Project - Building a SharePoint list: So now that we've changed our site logo, what I want you to do is click on new on select List. Andi then within the name of the less you're going to call it a bucket list now already got a list called Bucket List. So I'm going to do bucket list, too. It was I create and you'll see it's just a blank list Now if we come up to the top here on go to list settings, we will give it the name are we will rename it. At least I could list too. Onda, we will change the title to city on. Well, sure that it is required will enforce a unique value so that you can only ever add one off that city. So somebody wants to go to Paris. Somebody else can't go to Paris. It's is being taken. Then what we want to do is we're going to change the default. A column value off created by we're going to change this to the field name, which is up. If you see in the urologist field equals author, we're gonna change this back to author on this basically just tells us who created that list item, not a default populated value. Then we're going to create a column called Ah! Being There and once again we created without the space and this is going to be a yes no field Onda. We want to You want the default value to be? No. Now we will say OK, now if we go back into being there, you'll see that it's been given the field name of being there, and now we'll add the space. If we had out of the space when we created the column, it would have given us a bunch of weird characters between the two words. So it's easier just to go back in and change. It's it's It's much easier to reference in that field rather than being underscored. 20% underscore there, so we'll do it this way. Then we want to have a date, and this is going to be a date. Time value on DWI will keep it as Yep, that's all fine. It was okay, right? Another. All of our columns have bean provisioned and renamed. We will come back to our list and you'll notice that there's two columns missing. Okay, so now the two columns that we want that aren't there are hidden at the moment and will need to want one will meet will need to make sure that attachments are enabled because we want the Attachment column. Remember that, and then to we need to bring out the author column. So what we'll do is we'll come back to settings, will go to list settings. We'll go to advanced settings. Andi. It's on by default, but we'll just make sure that attachments are actually enabled. Okay, so that's fine, so we don't need to worry about that. So now we just need to actually display the columns. Now we can do this in two ways, either. If you click on Add Column and you go show hide columns, this will bring up a list of all the columns that you have available to you and all the text ones. Obviously showing and all the hidden ones are ah, antic. The other way to do this is by clicking on all items here, clicking on edit current view aan den, clicking on the things that you want to see so we'll click on attachments and author, and then we can also reorder them here, so we want the attachments to be last. But we want the author to be in second place, so we'll say OK, and so the author is in second attachments of Down Here Last Bean, Their Date City. That's all working fine. The other thing that we want to turn off is the quick edit. So we'll come back to Les Settings advanced settings and we will scroll down to a quick property editing and we'll say, No, no, it's OK now when we click on you, this form appears on. We can enter a city and we can Ah, I've never been to Paris, so we'll just say OK, now you can see this is automatically added the author. It's added the city and its defaulted the being there to note. 10. Project - Building Our Document Library: So that's our list created. The next thing we want to do is create a document library. So we come back to our home page, Click our new click document library Onda. We will already got one of these. So we'll say my city to and we'll add That's a navigation we'll create that on. I'm just going to change the name of this right to my city to we'll say that we're just gonna leave all the default columns as is. But now what we want to do is add these to the collapsible menu in this left hand field. So what we're gonna do is add it and click on this. You'll see that the address is automatically there the name of the libraries already there , But we're just going to make a sub link, and then we'll click on that one, make it a sub ling and then say all the other items that are created when you create the site, you can just get rid of them for this for this Ah, for this thing. So if we come back to our home page now that we've got our lists and library set up, we want to get all these interactive's in place. Okay, so if you come to the side here and you click on edit, you'll see that this is made up of different components. So each one of these is a different component, and they can be edited and removed and moved, etcetera as you go. 11. Project - Clearing Our Homepage Copy: So what I've done is I've created a new side quick, just to show you how to clear all of this stuff. Because obviously, in my original site, this stuff is already being cleared. So we're gonna come to the edit page to the edit button. At least as I said on we're just going to click the big delete button on the side there. Once you've done that, you can republish this and it'll give you a nice blank page. 12. Project - Building Our Landing Page: in here, we will click on the side, and this will give us a different section layout. So either you can add a single column. You can add two columns or you can add three or four. So you're not for three or one and 1/3 left or 1/3 right, and that will give you different options to move your move your stuff around. Another thing you can do is you can actually move these in these sections wherever you want them to be on the page so we can add it between the and we go so you can you can move it Teoh between different sections. We're actually just gonna get rid of that for now and recreated up top here. Eso this If we decide we want to put our hero in this one, we add a single column on. We will click on the plus sign and we will typing Hero. Now the hero is a visual way to display links to other items, too less to libraries to other parts of the web. A different links pictures, etcetera. So the way you would do this is by editing it and you can decide how many different pains you want you're gonna have between one you can up from 1 to 5. You Now example, we have just two. You can also decide if you want to put it in a layer or in tiles, so layers will give you a stack. The fact whereas tiles will give it a side by side. So we've chosen to tiles on, then we're going to select link, and it will ask you where you want this to go. What we're going to do is from the site we are going to actually get the links for these for these different with these different items. So we'll cancel that, and we will. It's a copy link address. So that's to my that I didn't spy right, either. Um, so we will go from a link and we will say yes and we'll say open. Then we want to get an image for it. So we're gonna say image and we're going to click on Custom Image on. Then we click on change. And once again, it'll ask you, Do you want to use a web search? Do you want to use one drive? You? Do you want to use the site. Asset. Do you want to go from a language you want uploaded from your PC? We're just gonna do a Web search now because this is our bucket list. We are going to look for pictures off the earth on. We will use just some random one on weaken. Set the focus so that it's a little bit more centered. That's fine to me on. Then we are going to select an icon off our city. So let's go and look for London and we'll choose just any image. There's one of Tower Bridge on once again. Obviously, this is a bit skew. So we'll do is we'll zoom in slightly on. We will set the focus to that of the three minute zoom in again. Are you back? That looks fun. All right, so that's our hero set up. The next thing we want to do is set up our other cards so we will add in a another section . And this time we're going to do a 1/3 left column. We are going to choose weather and we're going to select our location. Onda, we do not want Fahrenheit, so we're going to select Celsius and we are going to change the name. Well, this Onda we are going to had in another one and we are going to do the world clock on this is going to be who, London again. We're going to change the name to London and we're gonna keep the time zone as is, and that is our weather in time set. And now we want our map. So let us go look for being We're gonna do being maps in a septum, location for London, and we're gonna keep everything else the way it is. Andi, Now we use you can see that this is interactive. Now we want to do is add a button down the bottom here to get out news. So we're going to do a button button and we are going Teoh at the button to say get news and that we need a link. So the link that we're gonna do is just Google, and we're just going to say London News, click on the news tab, get the link to that Andi, paste it into the link there, and that is our buttons sorts. And obviously we can we can change where this button sets, but it looks best on the side there for this for the set up, You guys say we re published this. You can see that this is all interactive so we can zoom out of this map. We can zoom in. We can move this map around. We can get the news that will take us to the news tab off Google. And obviously we can interact with this hero down at the bottom, and we can navigate to our desired lists and libraries. There's a lot more things that you can add to the page, so we only looked at a few of them. But you can. You can have tax boxes links. You can embed things so you could embed if you If you know anything about I friends, you can embed something in an eye frame and you condemn splay other parts of different websites, etcetera. The other thing that can be very useful is that you can embed lists and libraries into that , So if you don't want the hero, if you want something other than they hurt, let me just get rid of these. So this is the one that we've created now you could also add in a well, in fact, let's add in a two part section and we'll add in a lest on the list that we want is a bucket list on the document library that we want is how cities. So with your lesson, your libraries, you can actually set How many items do you want to display? Because otherwise they'll default all. So what we can do is if you come to size, it'll say auto size put the number of items you can decide how big you want this to be, so we'll just say five for this so that it doesn't get enormous on this side will also say just five. And that way it will bring the hero up. Although this is obviously linking to the same thing, doesn't really matter. In fact, the out. Get this, Just get it and we will republish it. Okay, so this is this is my page finished. I am. What I would suggest now is that you put something together. You play around with the different features that you've got available to you within this a little menu and you create something that you're happy with. And then once you're done, posted to the project page Andi, let us see how many different cities we can get within our within our plus. I'll be very interested to see where everybody's coming from on da all the different cities that people have chosen. 13. Project Adding Users: right. So now that you've got your home page set up and you've got your different Liston library set up now we need to start adding people to the site so that they can start contributing to your bucket list on your list of cities on the way that we can do this. If we come back to the settings menu, we come down to site permissions. You will see that there's two different options that we've got you. Now you've got the option to change the way that members share your site and information. Now, this is quite an important, quite unimportant little menu. The way that this menu works is that it allows you to turn off site access requests. So if you send somebody a link to your site, they didn't have permission to get into the site. They would be presented with a banner that says Access denied a request access, and you can set up where the AH access request goes, so either you can set it to the site owners, or you can set it to a specific email address, and you can also add a custom message that would be displayed on that access denied banner . The other thing that you can do from yeah is added the way that people are able to share. So either you can set it so that site owners and members can share files, folders on the site and people with ed permission so people without a permission will be allowed to share pretty much anything. Or you can set it so that site owners and members are allowed to share files. But only site owners are allowed to share the site, or you can set it so that only site owners are allowed to share anything. So if it's sensitive data etcetera, only the site owners will be allowed to share anything outside of your site. Normally, what I would do is set it to site owners on members were allowed to share content, but only site owners are allowed to share the site. That way you keep your site protected from any sharing happening, but the content within a again, depending on the sensitivity of the content, is allowed to be shared out with you're your site so we can say that and then we will come to advanced permission settings, and this is where you'll be able to see your different permissions groups. So by default you've got three permissions groups. It will be visitors, members and owners. You will notice that the visitors have read permission. The members have added permission and the owners have full control. Out of the box. Now in our SharePoint class in the future will dive into more detail about how to create our own permissions models and how to get more involved in creating groups and breaking permissions. Andi having unique permissions based on different parts of the site. But for now, all we'll do is we'll come to site members. You'll notice that there's currently no one in sight members. It will saying you and we will turn off Cendant Invitation email. Now you can keep this on, and you can send a customized email. But what I like to do personally is add the person to the site and then send them an email separately. And the the reason I do this is because if you accidentally add somebody who's not actually supposed to have permission because they have a similar email address or they have a similar name and you accidentally add them to the site and the sensitive data in the sight that could potentially be counted as a data breach. So I would suggest that you add them to the site. First you confirm that that person is actually the person you're supposed to be adding to the site, and then you send the link to that person separately. Now, that way, if they come to the link on, they say, Why can't I can't actually get in? You can investigate that further and maybe who you've actually added the wrong person or, you know, whatever cases. But I would suggest to turn invitation email off, but that's that's a personal preference Now what I can do is I can type in a person's name , and it will bring up all the people with that name in my tenant who I can add to the site. So click on that person and I will say share Now this person, when they come to log in, they'll have specific sets of permissions based on the permissions group, and in this case, Meghan would have added permissions. If I want to remove her, I can click on the tick box next to her concert actions, and I can remove the user from the group. The other two permissions groups, obviously visitors pretty self explanatory visitors are allowed to see items. There are lots of read items, but they're not allowed to edit. There are a lot add. They're not allowed to delete anything the site owners and you'll see automatically. You are added as a site owner when you create the site. But because I've got a site admin privileges because I created the site is the site admin. I can actually remove myself, and I will still have full access to the site because I'm a site admin. Okay, so that way, if you actually aren't involved in the site of your just involved in setting up the site, you can remove yourself from the site. You can remove your presence from the site, but you can still have full oversight of the site in the background. Okay, so that's just the little brief about site permissions. Like I said, we'll go into more detail in future class about, for example, and as permissions models on creating your own permissions model suffering. So if we come to permissions models, you can actually click on, Say, click on Edit and you can actually create your own permissions models. Andi get quite granular with what people are and aren't allowed to do, but we will, like, say, we'll touch upon that in our SharePoint class. 14. Microsoft 365 Setup - Outro: with that project being done now it brings us to the end of the class. I hope you enjoyed that. Bonus Video - PowerShell Setup: Welcome back to another video. This is going to be a bonus video about adding users to myself. 365 online using powershell commands. And now, if you have never heard of Power Shell before, that's not a problem. And it's not something we're going to cover in too much detail. I'm just going to show you how to rather than explain too much about what it is. If you're interested, you can do some research on your own, but we'll cover a bit more power shell in future. But for now, I'll just show you how to how to do what we're going to be doing today, right? So you'll notice in the project section of a close, I've added three downloadable files that you can get. It's a command. Let's file at the actual script itself and then a C S V file with all of our user data. So we have a look at the user data quickly. This is just a simple CSB file with first name, last name and an alternate email address. Now, these convey be as many as you like. Remember, we have a license limit, though you're only allowed 25 licenses, and that includes your own. So add as many as you want up to 24 and as long as you don't have any other users in your in your tenants already. So I have deleted all the uses that we created within the classes, and we're going to upload these new users into our tenant, right? So if you want to download those three files and just add them to your desktop just so that they're accessible Andi, easy to get to open the power shall come model It's on. We'll have a look at the executed ALS that I've given you here. So the 1st 3 our packages that we want to install into power shell. If you haven't already installed these, then I can show you how to do them. I've really installed them so you won't see much, but I'll show you. It's It's quite easy. You just copy and paste them into the commode into the powershell window hit Enter and then , ideally, I mean you can't You can cycle through all of the questions and hit why, for all of them, but otherwise just hit a and it'll agreed all of them on it will install everything. Eso you want to do that one of the time before we do that? Also show you how to get your execution policy for your machine on. Then look at potentially changing the execution policy that so that you can actually run the script. Obviously, I must say that if it's not your computer, if the work computer, make sure you get permission to do whatever you're going to be doing to it first. If you need to change your execution policy, then definitely get permission first. And if it's a personal computer, if you're not comfortable with doing this, then either don't do it and just watch along. Or if you make notes off what your what your execution policy was before and change it back to what, what it was before you change it, that will prevent any anything going wrong with your PC in the future. So just just be aware that you are actually changing key policies on your computer when you're doing this to just just be very careful. What we're gonna do is come to, um, the search, but on the bottom and just search for power shell. Now you can run. You can run your script with visual studio code, but we're just going to I'm just going to show you how to install these packages first. And also get your execution policy for your machine to come to Windows powershell right Click on click run as administrator, this will give you a Trump's Just say yes and we'll drag our powershell went over here. Now I'm just gonna show you how to clear your window. We don't actually need to do that for here. But if you're if you're window starts getting very full with script, I'll just show you how to clear. So if you just type CLS and hit enter, that'll wipe the entire window away, and it would give you give you a brand new window. And so the easy way to do this. If you just click control, see, click into your partial window Control V and hit Enter. Now, this is not going to do anything for me because I've really got these packages installed. If you hit, enter, it will run the package. It'll ask you, Do you want to install package? You say yes or you can say a for yes to all you'll need to do that to install of these packages. So if you just do that one at a time for these 1st 3 packages that will get you to the same point that I'm at, then we will just clear this again. The next thing you want to do is just make sure that your policy is correctly set up, as if you copy the execution policy less into the power shell Command prompt. Then we hit. Enter. This will give you your execution policy for your machine. The one that we're looking at is local machine remote signed. Now there is also the option to do it unrestricted. I'm using remote. Sign the way to change this. If you this is all signed or slightly different than you can use, this executes able to change you're policy. Now, the way that this works is your execution policy. Is this column here on this scope? Is this column here? So when we change the policy, we want to remember that execution policy remote signed will refer to this column and scope . Local machine will refer to this color. So if I want to change this, for example, we can. We can change this to all signed on. We would change the scope of the local machine. And if we could enter, we say a for yesterday. All. And then if we rerun this excusable, This has now changed toe all signed. All right, But obviously we don't want to. We don't want to have all signed. We want remote signed. If you hit the arrow key up, it will take you back to this on. We can clear that on. We can say re Mote signed. And we want his scope to be local machine we had enter. That will change back. And we have now run this again. And we have now changed back to remote sign. So that's that's how we want our policy to look. If this doesn't work for you, you can try unrestricted, but try remote signed first Onda, see if I work. So now that we have our machines set up, we can run the script. In the next lesson, I will see that 16. Bonus Video - Import Users with PowerShell: it's just time to run our script on the way we're going to do this is by first adding in our domain name and this we can find in our tenant on. That's going to be this here control. See that in control v Doctor, Come. So we have our domain in, and then we are going to save that. Close it. Now there's two ways that we can run the script. Either we can use visual studio code on. I'll show you how to do that quick. So if you open visual studio code on, if you come down to extensions on the power shell extension just hit in, stole and it will install the extension into your visual studio code and you can run the file as a normal script the other way that we can do this is from the powershell window itself. But what we're gonna do is right. Click on the create users file Andi, click run with powershell. This is gonna open up our myself. Sign in and all we want to do is type in your your log in details, right. And the reason that this comes up is because I've written the code so that if you have multi factor authentication, this window allows you to input your multi factor authentication credentials. Now with the trial account, myself sometimes forces you to have multi factor authentication and is not much you can do about it. And I unfortunately have Bean cursed with that problem. So this is the reason that we've gone down this road, but we're gonna hit, enter, put in our password Onda. We wait for the text message. If you don't get the text message, just run the code again. And there we go. So that's now run. If we then come to our tenant Active users and hit Refresh. This has now added all of our users directly into our tenant without having to do them one at a time. The other thing that it's done is if we minimize, this is it's created a new file called Users. So we opened this. You'll see we have new user accounts and then for each person that we had here now see SV file. It's given us an output on the output is the user's details their password on the alternative email address that we input into the CSP file. Now the way that the code is written, if we come back to it, is that you can actually decide how many how many parameters you pull out off the CSB. So we could, for example, have a password parameter in here on. If we come down to the for each loop of the bottom, you could just add it to the end. But if you're not comfortable with messing around with the script, then don't do it. Just use it as is, but yes. And now you have your text while and in the real in a real world situation, you could distribute this this information from here and people could, uh, could change their passwords on first log in. So that's just the bonus video on how you can use powershell to automatically add as many users as you want into your tenant. Hope you enjoyed that, Andi. I will see you next time
