1. Introduction to the course: Hello and welcome to the Microsoft Partick Online Essentials for Administrators. Course where you are going to learn how to master particle online and PW way by learning to configure security groups. Research pools create custom fields and views and much, much more. I'm a nerve a Cory, and I'll be leaving you through this course at the end of the discourse, you should be able to configure, implement and maintain a project online environment with confidence in this course, I will walk you step by step with hands on training through configuring the three main environments to connect together. Microsoft 3 65 SharePoint and part it online T W. A. Just remember, it all starts with having a particle online license subscription. But don't worry. In the course, I will walk you through obtaining a license in one of the chorus lectures. You will then master the configuration of Pete um to a but implementing security groups, users and categories. You will confidently navigate particle line and configure the Partick and resource centers . You will learn to customize views Ganz Field and look up tables. You will also master the skill of customizing calendars and creating Partick File template . Then you learned how to turn on the time she functionality and configure it the needs of your organization. Lastly, you will learn to download and install Microsoft Partick desktop app and connect between the desktop APP and project online. And this will help you to confidently train your users on how they can also connect Partick Online with the Microsoft Partick desktop. Hap. If you are planning to do a complete project calling configuration from scratch, I would suggest you want every video in sequence if you are not new to particle on configuration and have some knowledge under your belt that you can go straight to the topic video you want to brush up on. Remember, this course is for you and there is no right way or one way to take it. If you jump ahead and need to get back to an earlier video, then by all means skip around. So welcome to this course and let's get learning 2. Project Online Requirements Gathering: Are you ready to start configuring an implementing project online before you get started? It might be a good idea to ask yourself and your team some questions to set requirements and expectations on how the project online environment is going to look like who is going to access part tricked online and what is considered a successful project. Online implementation. Here, you can see some of the questions to consider before starting to configure project online. First of all, why is your organization implementing project online? Maybe it's because the current system is not working as expected, and your organization wants to leverage the power of project online for project management . Next, you will want to define what is the current state of project management in your organization. Do you have a former Partick management or system? If not, maybe you want to implement a formal project management system to make it easier for your organization to be able to manage a growing list of projects there now unmanageable without a system in place. Once the current state is defined, you may want to outline the expectations for a future state. All stakeholders should have a clear picture in their minds on what is agreed as a successful project online in flipping implementation looks like Maybe it means a project online is configured to have different groups of you, a subset of projects only and enterprise resource pool is defined, and all users with Microsoft Partick Online desktop client formerly known as Microsoft Professional can access project online from the desktop app. Maybe your organization wants the time she functionality turned on as well. These are some of the things that may need to be considered. You also may want to understand who owns a Partick management system. Sometimes I t owns the system. Other times it's the business area who owned the Partick management system? Maybe it's both, and you need to figure out who the decision makers understanding who is the owner will make it easier for you to contact the right person where you need to make decisions on implementation. Things always come up, and if you don't know who can give you answers and make decisions, it will slow down the implementation and you may not make the deadline. Speaking of implementation deadlines, it's important to ask what is the expected timeline for implementation since We're dealing with a scheduling tool here. I would suggest you create a project schedule in Microsoft Project and have all the stakeholders sign off on the timeline. This ensures that everyone is clear on the timeline and when they can expect Project online to be ready for everyone with access to use. Finally, when you have all this information, it's a good idea to write down a requirements document with everyone. Sign off before you start to configure at Implement Project Online. 3. Project Online System Architecture: it's important to understand a little about the project. Online system architecture This is a simplified view of the system architecture. It's a little more complicated, but for our purposes, this gives us a very good representation of the project. Online system architecture, architecture on how we're going to be implementing Project online on the left, you can see that we have Project online dustup Client. This is formally known as the Microsoft Partick Professional. Um, if you have a part Microsoft Partick Standard Edition. You cannot connect to Project online. Later in the course, we will go over how to download a copy of Microsoft Partick Toe our desktop and how to connect if we have the project Plan three, he would purchase Partick three or, if we purchased project planned fire. We got any other part. It's below that. If that's what you organization has, that you can not connect. Makes up Partick Dustin Client with Microsoft Project Just a plan. You can have standalone projects. This means that the projects are not connected to Peter Lay and are found on your local computer. Project Online Initial Setup: Let's look and visualize with the process for implementing Project Online will look like in this example, we will assume that you are not the Microsoft 3 65 administrator. If you are followed its example to set up your project online application administrator, your organization will need to start by getting Microsoft 3 65 tendency. If your organization doesn't have any Microsoft online product than when it purchases project online licenses Microsoft 3 65 tendency will automatically be created. If your organization already has Microsoft Online products, then they can go into office 3 65 and go to the admin Pete, which is basically the Microsoft 3 65 tenancy. We will see this demos later in the course once your organization has Microsoft 3 60 by tendency. If they started with other Microsoft Online tools, then they will need to buy project online licenses through the Microsoft 3 65 tendency. If they bought the licence first without any other subscription, then they will have both at the same time, so they don't have to worry about it. Now that your organization has the project online licenses, they will need to assign you a project online license subscription, and this is very important. They will need to assign you as a SharePoint administrator. Let me repeat that they will need to assign you as a SharePoint administrator. This is because you will need to configure a part of project online called Project. Where About PW, a side collection in SharePoint. Also, be aware that Project Online currently lives within SharePoint. They should also assign project online licenses to any other user that will be using project online. The other users do not meet SharePoint administration permission. Once you have share porn permissions, you will need to review all the uses to make sure they have their very licenses to use Part tricked online again. We will go with this in more detail later in the course. Once you have verified they all have licenses, then you will create groups that we will later using when we configure project on my impede of the way. Project Online Licensing from Scratch: In this video, we will be talking about Partick Online licensing. The most important aspect of this particle online training is to actually have a project online license subscription for Project Online. So in this video, we will learn how to get a project online licenses for your organization. In this example, we will be going over how to get these licenses directly from Microsoft Partick Online products. I will walk you through the steps to get a project on my license up to the purchase picture . After that, you will need to follow the promise to complete the purchase on your own. Let's get started. So here, we see were in a browser and we're gonna type Microsoft dot com Once we're in Microsoft Weaken Go! There's different ways to actually get to the page of where all the products are for Microsoft Project onto his one way you can get there differently. That's OK just as long as you get there. I'm here. We're going to click in all Microsoft and then go down to the view Say crap once word here , we're gonna start scrolling down and we could get to section Word says applications. So under applications. If you go down to project just clicked on that link. So now we're gonna click. All right, now we're in the product each for Mexico project. So here we go and see products and pricing. And now we're here in the Compare Project Management Solutions. And this is a current pricing for Project Online and in here for the cloud based solutions we also have on purpose solution. So we're going to stay on the cloud based solution because that's what project online ISS. There are currently three different types of plans. There's Partick time one which is basically you can use project online on the browser on Lee. So that is just the bare essentials for Microsoft Partick online. You in the organization, you might have different types of licensing if you just want some of your users to use the browser, um, you can get them this type of licence. But if you're gonna have to use Microsoft Project Online desktop client meaning that you are going to use the desktop app from Microsoft Project something like this, then you will need Partick Time three because you get the essentials and you also get that um desktop Clariant. So for project planned five, this is the portfolio plan. So this is more for enterprised level. For all intents and purposes, for this course, were Onley gonna use project plan three. Okay, so at minimum, for this course, you have to have project Country because we will be how using the project desktop like Partick Bus stop. And if you you can also do the installation If you're just using perfectly and one for all your organization, that's fine. When we get the training for the desktop connections, then you can just kept those videos. But that's basically how it's set up right now. So if you scroll down, Microsoft up actually gives information of what each plan brings for you for all three they have, you can get the project home. You have great views, board views. You can also have the grant gang abuse or timeline. We can collaborate it with Microsoft teams and to make sure that all your team has the same information you can do co authoring on document, you could do project planning and scheduling, which is very important. Okay, After that, you you go to project Plan one doesn't have some of these capabilities, but for the one that we're gonna do partner Clan three, you can get reporting. So these are the pre build reports that you can use. We can also use broad map time sheets, submission, resource management and dust up claimed that the one I showed you that that stopgap each licence covers up to five PC's per person that they can do in installations. That's pretty good. So this is both the same for both Plan three, Project 10 3 and Partick 25 and then if you're going to be doing portfolio management, which we will not cover here. But if you want information on that thes last ones are for that part of 10 5 you get the performance election optimization, demand management, enterprise, resource planning and management. So the APs that are included for Project on One is Onley Project for the Web so you can only get on the Web for part of tender. You get Project for the Web, which we will not really go through in this training. We do project online in Project Desktop Client and the same core project 10 5 So once you're ready to buy you get the license, or maybe you already have it. But if you're ready to buy, you click on by now. If you want a 30 day trial free trial, you can do trying now. So that's what we're gonna click on right now. This is the very it works really well. If you want to do a trial and your company needs approval concept of If you want to go and use Microsoft Particle, not so sure, I'm also for, like, training like bring out so you can get up and running on understanding how to set up the configuration for project online. That's what's up. 30 day free trial is good for us. Well, so anyway, so what you do here is you enter your email actress and then you go follow each of the prompts were not going to go through that right now. You, once you're done and you set it up, then we will continue with the next videos. But before we go this video, it tells you right here some of the things that the project manager on the cloud for Microsoft Project can access anywhere you can do park scheduling, costing resource management publishing part ICS to the cloud. And then you get 25 licenses for 30 days. That means you can set up 25 different users and play around with the configuration of Microsoft Partick. So anyway, set it all up and we'll see you on the next video. 6. Project Online Licensing with Microsoft 365: in this video, we're gonna talk about Microsoft Project licensing through Microsoft to 65 tendency. So the first thing you need to do is actually lock into office to 65 and then when you're in here in office to 65 you want to look for your admin panel so you can do it through the APP lunch, or you could do it over here. So there's different ways to get you your admin panel. So we're gonna clicked on Hantman. And now we're in the Microsoft 36 Hedman Center. If you're gonna want to purchase licenses for project online, then you go down to billing. He opened that up, then you click on purchase services. So here in purchase services, you're gonna scroll down onto you find business APS under a business after you're going to see that we have project plan one. There's a month to month a pop shin. Then project plan one here. That's a yearly option. Project 10 3 and project planned five. And then over here, this project online, essential month to month. But to use Partick Online, you need one of these three. Okay, so what you can do if you want to compare, You're not sure what you want to buy. What type of license that you can compare. You can click on these three. You could only pick up to three to compare, and you can click on details. So for Project Kind one, it will tell you the details of what you get with this. Actually, with Partick Plan One, you can only access project online on the browser. You will not be able to connect to Microsoft Project Desktop client like this one that I have right here. You won't be able to connect to a file. That way. You'll only have people to do it through the browser. And so, as an admin, you deed a license that will let you do the highest level of licensing that your organization has. So maybe some team members in your organization might need to just have project on one, but for administrating you at minimum, have to have a project Plan three. OK, but look over that. Here you can see the this project starts what price it starts and how much it is per year, and you can click on by if you want to buy it or get a free trial. That is a 30 day free trial and so that you get that option right there. The get free trial. We're not going to go hot through setting it up. You just follow the problems, go it. You'll probably asking for your email and then go from there. The free trial is very good for if you wanted to, a probable concept for your organization, or if you want to train like we're doing right now to training and get some knowledge on how to administer project online, that's a good option for whoever wants to do those type of things. Let's see. And so here, when you're comparing the project plan, you'll see what a little bit of what you get from each one of these you can navigate to Microsoft are common. Look for the products through there to get more information. This one, I find they don't give as much information that they do there, but through here you can see that for Project everyone gets office on Lee. Well, not everyone this to Project on Three and Partick Plant five get offers only to get Microsoft Party claimed the one that I just showed you. As you can see, you don't get it for a project plan one but you to get her for three and five. This means that when to have it eat, user will be able tow to install it on one other pieces up to five of their PC's. So that's a good thing for each of our users here. You can see that the first few are for portfolio management. And so Partick Time Fi is portfolio managements of you want to do that kind of thing reorganization. You'll have to choose that we are not going to go into portfolio management in this course . We're just setting up the basic configuration for Project on Lying. So I recommend that you get Project Plan three. If you just want to go through the whole basic configuration and then here gives you more information on what you can do with Project I'm three and protecting five. Also, you get one drive, you get part of Clennell one. You get one terabyte of space. Thank you, do certain things within one drive and then you get unlimited storage for another to plan, and then for a SharePoint you also get SharePoint, Of course, because project online lives within SharePoint. So you get to do but for project and three, you get SharePoint plan to and you get all the this things that you can do within SharePoint. So if you want more information, just could breathe it through and try to make your decision on what you want to do. We need for you to have this type one of these licenses so that you can actually do the with the rest of the configuration for a project online. Once you have your license is, you can actually go under licences and then you'll see how many licenses of projects do you have. So here you have. I have thes I have Partick 10 3 And so I have all the licenses I need to create you users and assigned them licenses. So hopefully that helps get you started so we can continue with the course 7. Microsoft 365 Tenancy Tour: before we start with the Microsoft 3 65 tendency, I want to tell you a little bit on what is Microsoft 3 64 tendency in how Project online is set up Within this tendency, This is so that it could help you visualize where we will be configuring each piece. In this diagram. You can see that all Microsoft, perhaps you own, live within the Microsoft 3 65 tendency. So it tendency is basically an account that contains all your 3 65 laps. Here. You can see some examples such a heads or active directory dynamics 3 65 and Power P I. You may have many others, but those were the only ones we have. Some of the ones we have in this diagram within SharePoint online, we can see part it online and project. Where about PW? This means that project online lives within share port. That's why we need to first to some configurations in Microsoft 3 65 Tendency. Then go to SharePoint and configure the Partick Web app or people away where we access all the information in Project online. Once we have thes two pieces configured that we can go into PW way and do the major parts of the configuration for project online for the users in our organization. Let's now go log in in Microsoft to navigate or Microsoft 3 65 Tendency to get to the Microsoft 3 60 Fire tendency. You will need to log on to office dot com first. So we'll enter office dot com here. And then we're gonna say signing you should all have a Microsoft 3 60 by tenancy by now. Whether you had it already, which organization or you created one in the last video? So we're gonna sign in. I'm gonna put it in my account for particle online. That's will be the email. All right, so then I'm gonna click next, and then I have to enter bypass work, and then I have he code that I need to sign in Great here. So I'm getting this code on my phone, so let me see. It's four. Ain't 231 So each time they use I Nana, you need to enter your code. If you have the two step authentication, you'll get a different code signing. All right, so now I'm here in office. 3 65 You should see an Chapman option to get to your at meant. Cannell. If you don't see it, go to all APS once in your in all APS. Look for that again. The admin panel. And then you can click on that. That will take you to Microsoft 3 65 tendency. If you don't have this, you don't have pet hman rights. Then that means that your organization, if they are the ones taking care of the Microsoft 3 65 tendency, they need to give you access to project online, give you a license and also make you a share point administrator. If they haven't done this yet, then that means you might not be able to get to this part. If you are a SharePoint administrator, you should be able to get up to here. Or if you bought the licence yourself, you'll you should be able to get to this place. You see, we're in Microsoft 365 Admin center. You can put a low of you want, but we're not going to that right now. Later, we're were in PW, a configuration so we can look forward to that 8. Adding a user to Microsoft 365: in this video, we will be adding a user to Microsoft 3 65 admin center. And we will be giving that user admin right to SharePoint to make sure that they can access the Hedman Center to get to project online. So we're gonna pretend that they are. How were project Online Applications Administrator? Okay, so if you are already in your Microsoft 3 65 Hedman Center, you can go to users and open that up. You can go toe active users. That's where we're going to had our user. That's gonna be our project online applications administrator. So as you can see here, we have a few, uh, users, including myself, and we all we can see right here. Licenses. We have parted Plan three license. Okay. Here you can also click on hat a user so you can start adding users. Let's click on that. And then when you get in here, you're gonna have to give information. That is the basic information product licences that you will assign to them and other optional settings, like making them a SharePoint administrator. And then you'll be done. So let's go see the name of the person working at his name is Bob Senders. And then the name water Medical display name will get that and display it. And they were gonna his user name for our particle. On site will be Bob Sanders. Where it was at Its gonna be at my part, tricked online account. So there we have Bob Sanders. We want to auto generate password. If you didn't require this user to change your password when they first sign in, you're gonna click here. That's best practices. And you also want to make sure to send the password in an email upon completion. So you consent that email to different people here you can do. I'm not gonna use it thes because is the fictitious user I'm just making him up. So I want to control that. There's nowhere to send that email, but make sure that you feel that out for your users. So we're going to go on to next and fill in the license information for us. You need to select your location right now. I'm gonna leave it at the United States, and then I'm gonna assign product license right now, I have 20 license inside of 25 available So if you don't have any available, you're gonna have to go buy more license you want at new users to your account. You can also create users without product license, but that's not recommended. So right now we do want them have project plan three. If you have any other license and social down here you can assign has needed for right now , we just need to make sure we have project Plan three. If you open this drop down menu, you will not change anything down here. Please, please, please do not trying to this just so you can see what's in here. The's air. This app, sir. Associated with Project plan three to make the work that you can actually use project online correctly, such as the common data service that's needed to do reporting. That's where all your data lives. And then all of the other things, like particle and servers. SharePoint online. You need that? Definitely. Because party I lived within SharePoint. That's good. Do not on click any of that. So that's just so you know it's there and then click next once in your next. If your user will not have any admin rights, then do not at give the many admin great Each user. You need to give him the least amount of access as possible to keep your sights secure. We're going to give him admin center access, and we're going to give him on Lee SharePoint administrations for right now and then If you need to see other types of administrators that you want to give your admin rights, you can see a full or list. You want to give the profile all information from your organization and put in even here. We're going to skip that for this user, but you go ahead and fill it, and that's needed. Once you're done, click next and we're gonna do the finishing touches here. So as you can see, it's gonna be, you know, Bob Sanders. And then his logging is bob dot Sanders at matt. Schedules dot on Microsoft dot com. If that doesn't seem right, can edit. You're gonna have your password auto generated, and then your project licenses. This is very important. Make sure that you do have the part of plan through your license, especially for your project online publication administrator. If they're gonna be administrating your project online, they have to have the highest project plan that your organization has. All right, so here the rules are SharePoint admin. That's correct. And then you need to check whatever profile information you have entered. It doesn't look good. Then you can pet it. Once you're done, we can click on finish heading, and then we get a confirmation that we have added Bob Centers and he should be in our active users and then his information, his past work. We can always reset his past work and then licenses bought within by any licenses. But we did assign a license, and then we can save this as a template. So we can then used this and make it simpler to at other users that are very similar to Bob . Senators profile. Okay, so if you want to do that, you can go ahead and do that. And then I'm gonna click close. So now we should see Bob Sanders in our active users list and we can see his user name and then that he has designed the licenses parted. 10 3 If you don't see the current license plan that you need to go back in there and edit this user. So now that we have him in here, we can actually, since he said fictitious user, I can actually use his log in information to make sure that Bob Sanders can actually go in and use the admin center. So we're gonna do just that. Normally, we wouldn't do that to go inciting us a different user. But this is so that we can actually see what we have done here in our training to make sure the Bob does have the right view in Mike's up to 65 Hedeman center so he can be our particle online application administrator. So I'm gonna log off right now. I'm going to click on Sign out and it's gonna sign me out in my take. Just a minute to sign out. Make sure that your please I know we're close at all. And then I'm going to look on office that come I'm or resigned out So I'm gonna click on switch to a different account, and I'm gonna enter Bob's email sign in, and then we'll put password we're gonna signing here. It's asking us that we need toe enter more information that it's required. This is to set up the two step authentication. So if you're doing this for your account, you should go ahead and click next and set that up. But for Bob, you can see right here. You also have this gift for now. You have 14 days to do this until it's required and you can ask it. But anymore for Bob. We will skip that step for now and keep going. But for you, please set up your two step authentication now. Okay, for now. So this is what Bob would see. He sees this admin tunnel here, so he's gonna be able to go to Germany. We can't see that toe all caps and look for it. You can see that he does have it. So he can see active directory like I can. And he can now be able to do the project online application configuration that he needs to do. 9. Adding groups to Microsoft 365: in this video, we will be creating groups that we will be using with our users. These groups are going to be used in project online. When we actually go in there and configure, we're gonna import this groups and sink them up so that every time that we enter new users and assign groups to them, they would be all automatically be updated in project gambling. So we're gonna build, I think, four groups. So we're gonna do Pete of the way. Ackman's P W A. Project managers, PW a team members and Pete of the Enterprise Resource Pool. You can call it anything you want. Just remember that you want anything that you can associate when you're actually Satan them in project online. So let's get started here. You can see I'm in my Microsoft 3 65 admin center. Here is where I have all my users that we work before and here are my groups. I Right now I am blogging as myself. So ominous star creating groups. So I'm in groups and here you can see what happened. No groups. So I'm going to start heading groups. I'm going to click on add a group and here in at a group, we're going to go through group type basics, owners settings and finish so here and choose a group type for project online and for PW. We actually need to create a security group. I know it. All they hear is this. Officer 65 recommended. But we actually need to do this security one, because we're gonna be using it for security groups in Project On like so. Then we click on next in this group name, give it a good name that makes sense for your organization. I'm gonna call it T W. A Ackman Mystery Tours or Little Skip. Keep it at Chapman Edmunds. And then you can enter a description in here Anything to remind anybody who's doing this after you created and they need to use it, understand what kind of group it iss. I'm nearly with blank for now so we can keep going. Click next in here. That's it. All we have now it only needs those basic things in their work. Duck, so it can create group now. So we have our first group. We could actually click on here to add another group by my click close so you could see that we have had a harder All right. So now maybe it's a little scary. Hey, there's it's still empty. Well, the thing is that sometimes you need to refresh your list to make sure that the changes have made A lot of things are going behind the scenes, so it might take a minute to actually come through. So let's click on Refresh right here. And still no group. That's straight again. All right, that did it, you see. So now we have p tell you a argument. Security is the type, and it's been assigned. And then it's been greeted. Worried. So now we're gonna go ahead and that are the rest of our groups were getting add another group working, click security and then next. Then we're gonna do security here, and then we're gonna click next, and we're gonna talk to type. We're gonna add our name will be PW eight team members at the description and then click next. All right, so we're going to create this group. Okay, we're going three. The last group this is so we can create our resource group Enterprise Resource pool. OK, so we're going to click on Security, and then we're gonna click next. And they were going to call it Pete of the A Enterprise resource pool. Right. And to the description, this is where all our resource is that our actual users are gonna be in so we can use them as resource is where we're building your project files in Microsoft Partridge. You may need to create other security groups in the future because there are a few security groups in project online use the mass needed. So I clicked on that, and then I hear I click on Add Owner Second start heading owners, and then I get all my users in here. That I can add is owners. So Sens Bob Sanders is going to be our happen. I'm going to add him, asked the Edmund, and he will be the only one that is the group owner for this group. So I'm going to click on safe then we click close and then I'm going to close this a swell . And now we can see we have one older and it's Bob Sanders here we can do of you and and manage owners. And then we can give you and manage members. So we're gonna click on members and we're going to start adding members we're going to click on at members. And then we have all these members that can be Remember, that is the PW eight adamant. So I'm gonna add Bob Sanders. He is the only member for this girl for now. Later you can come back and put it any more that you might need notice. We also have our groups down here, but we do know want to assign them as a member. At this point, we just want Bob. Senders will save, they're working. Close it. And now we have the Bob Sanders is a member of this group. Close it. And now it's been updated. The security group has one member. It has one owner in one member, which is the same person. So we're done with that. We can close it. All right, let's go to our Pete of the project managers. So we're going to click on that on the link on the group name. We get this window on the right and you can see the name of it in the general and from Eugenia when it was created. We're going to exceed that. There's no members. We're gonna have members. So here we're gonna view and manage all old north, and then I'm gonna add owners. And this one I'm gonna put Bob Sanders in the owner s. Well, he's our hetman, and then I'm gonna put myself as a project manager. We're gonna have Bob Sanders and me as the manager. So my click on ST None of my clothes. Then we're gonna see close. And now we have here as owners. That can be Minerva, Cory and Bob Centers. Okay, so now we're gonna have members. So click on view and managed members. And when you start adding members, all right. So here, actually, for project managers, it's gonna be Bob Sanders myself. And let's pick Maria Flores. The three of us will be Partick managers, so I think we're gonna leave Sandra, mike and Alejandro as the team members. So we're going to click on Save Nowhere, Click close. So we're gonna click, save so it helps to know who are the users fall into those groups. So you need that information from your organization to make sure that you can configure this correctly. You click on close, and now we have three members that are the team members. So we're going clear both because that's correct. And we have configured our security groups for particle online. When we configure part to go on later on another video, the last one we have here is our peed of enterprise resource. What you need to understand in Project Online, there's a difference between our user group and our enterprise resource pool. Not all users need to be part of the enterprise officers pool because not all our users will be working those programs or projects. For example, our PW, a admin group, probably doesn't need to be in their resource pool because although we will be doing his administrating our particle online. But all the other users, the project managers and the team members do need to be part of his enterprise resource pool. We're going to click on PW eight Enterprise Resource Pool and we're going to something a little bit different for this one. Okay, so watch carefully. So it would have the same information in here that it's a pita plate interprets resource pool. And then we're going to click on members we're gonna add manage users owners again, and we're gonna add the owner. So there is the same as before. Again, we're gonna have Bob Sanders and Minerva. And you want to probably exclude some of the groups that you created us. Well, you might also have so many other groups for other things that are not particle online for your other APS. You could exclude those from here as well. So click on Save. We have a nested groups within groups here for this one for you today, Enterprise Resource Book. So we're gonna close. And now we have finished our configuration of our groups and we are ready to move on to the next section. 10. Double Check Admin Group in Microsoft 365: before we move on and call it done to movie. I want a double check that we have had it ourselves to the happen group because once we start configuring Peter through a and we started sinking the groups together, if we don't have admin rights were not part of the admin group in here, then we will lose all our admin rights to be in project online. And we don't want that. That's a very important thing to do because you want to make sure you are Partick Online application administrator 11. Configure SharePoint for PWA: in this video, we will be configuring SharePoint for Pete up a usage before we actually go into people's brains. Start doing all our configuration and there. All right, so we are in the Microsoft 3 65 admin center and we need to go to SharePoint. So we're going to go all the way down to SharePoint. We're going to click on SharePoint. Click on more futures, and when you're in more features, look for the classic sites collection. PH For me, it's all away on the bottom. It's a view. Peter blew A As you can see it, all the sites have loaded. I actually have for different PW a sites. You probably see this one, your organization's your L and then ends with PW way, so that might be the one that you want to configure. I'm actually going to configure a different one. I'm going to configure this one that I haven't hear called Pete up the way test. We're gonna click right next to of the euro. We're gonna check it and then the first thing we want to do is go Make sure to go up here to this ribbon and go to project Web app and open that up and then we're going to go to settings. So here in the settings side collection with Partick Web app settings as default, it will have SharePoint permissions mode. But if we actually want to configure project, we're back to have security groups and be able to manage different things in particular back. We need to make sure we go to project permission mode. If later you decide that you don't want to use it for whatever reason, as project permission mode, you can switch back. But just be aware that if you switch back to share pump progression vote everything in particle online that you have configured will not work anymore. It's best not to go back and forth. So just make sure that if you pick project permission mode, we're going to stay in project permission mode for the duration of when you have the software. Okay, so we're gonna click. OK, now that we have done that, we want to make sure we configure other things within how were people away. So we have to make sure we have repeatedly that we are configuring. We have it checked, and then we're gonna go to owners. We need to make sure that we can manage administrators. And right now, the primary site collections administrator. It's me. And you have to have one person Onley in here in the sight collection and ministry years. You might want to have two people or more. Not too many. But in case that we need other people to administer the SharePoint side of PW eight. So here I'm going to add Bob, I'm just going to click on bar. You can put the full name that secret works. There we go. You recognize that, Bob? There's a Bob Sanders. Only So now we have to say collection administrators and we can click. Ok, Okay. So we're now back to this site collections and I still have my girl selected. So now I want to make sure I go configure how I'm gonna live. My users share the PW way. I really don't want my users to be able to share the pita very site with anyone outside of the organization. So it's best to leave elastic felt here. Don't allow sharing outside of your organization. Also the default link type. I would also leave it as default only for internal people and then the default link permission. I will leave it asked again as default. Anything else? That's all we're gonna be with us default. You can click, save, and you can accept those cities. All right, we're back here again. We're going to make sure we have clicked our euro because we're not finished. Configuring does your l in SharePoint. If you want to buy more storage this you have the option here, but we're just configuring. We don't have any data, so we haven't really used up all our storage. But we do want to configure the servers resource quota. So we're gonna click in there and so normally Well, right now I have 4470 resources available. You might have more how you have three sites and I am using server quota arm. Using different types of resource is for each one of these. Usually you want 10% of your resources that are available for your site. You could also click here to be warned when the psych electric resort use it is reaching a warning level. So I would say once I'm at 80% using my resource is I want an email to let me know that you know, I need to probably come back in here and add more resources or clean up my feet up A to have more resources available to free up resources. Now that what I have done that I'm going to click on, Save all of these actions there were doing. Probably take a little bit of time. What I'm doing is I'm pausing the video so that I can let the system do its thing and then restarting ones. It comes back. Create New PWA Site in SharePoint: in this video, we will be creating a new P W a site, and we're going to configure it and then will be will have a new site within here. As you can see, I have quite a few. Now I have 1234 of them. And so we're going to start by going over the selecting anything that we might have selected. And we're going to go over to psych elections. Um, the ribbon and we're gonna go to you. We're gonna open that up, and then we're gonna click on private site collection with project web app. They weren't going to click on it once it's finishing finishes uploading this. Um, I think this form Yuxi. There's a perfect site collection with Partick. Web app. You're gonna put a tie go in here? I think I'm going to call it since it's gonna be just for me. If it's just gonna be for you to test, you can call it whatever you want. Um, this is not the the actual site address there. Just so you can know what the name of it is. I'm gonna put it on the way. Um, my test, okay? Or we could say P w a my test and bar and and then right here in website address, we gonna leave it as is as people. There's nothing else I can choose. I cannot change it at all. And then the next level of our website address, it's this Oneness is forward slash sites for were slash will be. Open it up. You can also choose teams. But I would not recommend you to do that. And then here, we have to put who will be your administrator for this PW a site. Um, I will put myself so I'm just gonna start typing Minerva and click Enter, and it should recognize me, express. It did. And so, um, next e I'm gonna put in the server resource quota, so there is a limit that there's a limited amount of resource is available. Um, for your account. So all these resource is our shared within all the other PWC sites that I have. So I have left 4470. So usually you want to put I'll leave it as the fault by Mutu's. What's makes sense for your organization. It is recommended to put at least 10% of your resource is that you have available in here. So you put in what makes sense for you, And then after you do that, you think like OK, um, this action is probably going to take quite a few minutes, so just be patient. So there it is. It actually took about four or five minutes for it to configure for me to create this new PW in my test. It may take a few minutes. Where us? Well, so just be patient. So now that has been created. We can actually selected, selected your old and then we can go ahead and start Look, configuring it by going to Partick Web app. According to settings here in this window, we're gonna click to select the psych election with part of Web app settings and again, we want to make sure that we have the Partick permission mode because we want, um, we were in pro Pete of the way in the side collection. We want to make sure that we manage our users or groups or categories. These are our security groups with, um, pick up the way project we're back. So once we have selected that, we click. Ok, now that that's done, we want to make sure and go manage our administrators if we need to. So since we when we create the new site, we chose an administrator. I chose myself. So here we can actually add what? We can change the primaries. A collection administrator. We want to We could only have one. We could have multiple site collecting. Administrators like it. I'm gonna put Bob in here. You know, I'm gonna click enter in the recognized Bob Sanders right away. So we're going to click. OK, now that that's done, we're gonna keep configuring this my test beautifully in my test or whichever one that you created, make sure that it's checked and they were gonna go and configure the sharing part of it. Once this sharing window comes up, make sure that you leave. Make sure that the top one is selected. Don't allow sharing outside your organization. We don't want any of our users to setting out the link to outside users because our data is important to stay, you know, to safeguarded. And then the people link type, working in a leave as default respected felt organization, studies. If this is not checked, my church checked, and then the default link permission. We're gonna also leave it felt right here. And so, um, one thing that we didn't, um, over before it's turned off, sharing for non owners on all sites in the site collection. It's okay if our users I'm share within the organization. If you want to make sure that no one but owner share they click on this. Um, so we could Usually it's best not to do that, but it's up to you, and then you can click save. All right, so now that has that has been done, we need to make sure that we have again selected our PW away, um, site that we are currently configuring and we don't know want to buy storage right now we do want to go look at the server resource quota to make sure that we have, um, the quarter that we need. And once we have done that, we will be finished configuring Pete of Leeway in share put for this new site. All right, So, as you can see, we're gonna dio I merely with a 300 you can change it to whatever makes sense for you again . Um, this resource is our fine eight. We only have certain amount of resource is I think we have about close to 10,000 for each account. of, uh, myself, 3 65 Unless, um, we changed that, Um so we have to if we keep creating sites, is gonna use up more. Resource is so there's a finite amount of sites that you can actually create for PW way. And so right here where I have 4170 left, you might have a different number, and that's okay. It depends on how many you have. This might be your first or 2nd 1 so it's fine. I do want to get an email. This is kind of a good, um feature that I want to get Ah, an email. When the site collection researches, it reaches E. I want to put 80%. You can put 75. That's good of 90% is good as well, But it's good to get that warning so you can do something about it early and you can go fix the problem. Okay, so then I'm going to click. OK, so there you go. You have created a new site collection for PW way, and so it will be ready to be used 13. Delete Existing PWA Site in SharePoint: in this video, we will be working on two leading a PW A site collection. This may happen because maybe you are trying to, uh, recover. Some of the resource is you want some to have more. Or maybe you don't eat the site anymore, or you want to refresh a new testing environment as many scenarios or why you would want to delete a beat up great site. Um, you would have to select the one you want and then you can you can you think it's really we can delete here. You can do that, but I think best practices would go actually to go to project Web app. You do the drop down menu and then click on remove it takes a few seconds, but then you get this window. And once you get this window telling you that you know, there is hard to see that you wanted to leave this I collection and it gives you a warning that doing this or um will remove the data in project web app, including project plans. Time teaching resource is we are sure we wanted to remove this site for sure. So we're gonna be disable if you are not sure you have to go find out. You have to be sure that you want to delete it because you can probably get it back. You will. You can get it back, but it's better to be sure Before you started. I'm disabling project Web app, so we click on Disable and then you can see it's still here. It's the PW training. I'm going to select it again, and now I am going to click. Delete. This window now comes up. It's a delete psych elections and it says, important. You just can't access deleted like collections. You have 93 days to restore deleted sigh collecting for the her permanent removed. I think there's 93 days is of Miss no more. You actually have about 30 days and I'll show, you know, Minnick. So what happens is that this site collection's gonna be sent to the recycling bin and you have access to our recycling mint. Once we delete it, I'll show you how to get there. So before we do that, we're going to make sure that it is the site we want to speed of light training, and we're gonna click on delete. Now we're brought back to our site collections, Pete, and we can see in our list of Urals PW a training is no longer here. If we have by mistake, deleted it and we want it back, we can go to the recycling bin. Once you have clicked on the recycling bin, you'll get a new page for just for the recycling bin. And you get all your URLs you have recently deleted. If you take if you can see right here tells you the date you deleted it and also the remaining days before it is permanently removed from your site. Um, you notice I don't know if you notice before I was at 4170. Resource is now that I have removed this, I have regained 300. Resource is so now I'm at 4470. So even though it's waiting in the recycling bin, it is no longer holding. Those resource is. So now I can reallocate those resources, however, I want to do it. So if you want to go back to you can go to back click the back arrow and you should get back to the the site collections page. Not now that we're back. We're for sure they're the PW. Training is no longer available in. Our users will not be able to use it. So that's how you would go about going in SharePoint and deleting any site collection for PW eight that you might have you don't no longer need. 14. Navigate to PWA in Browser: Now that we have configure repeat of the way in SharePoint, we would now want to not navigate to our PW a site. I have a few sites in here, so I can go to any of them. You should go to the one that you configured or the new when you created, which are you want to play around with here, I can show you different ways to navigate as an administrator or your users, or if your user as well how you can navigate to to the people you a sight how to connect to it. So for this example, I'm going to use the one that we just created PW in my test. If you just have Pete up to a click on that Okay, so I'm gonna click actually on the your l. When I do that, I'm going to get a site collection properties window, and then here, give me all my information for my psych collection. It actually has the web address. You can copy it and paste it into a browser, or you can just click on it so another paint opens up. And as you can see now, I am in my PW way. My test site. You could see it's my girl if I wanted to go toe any of my other sites, like the just pw A. What I can do is actually going here and modify this euro because this is a euro. You can use copy and paste so you can get to Pete Obey quickly. So I'm just going to delete that. And then I'm gonna go click enter and I should now be I and my pita plea site. So I'm going to click back. Exactly. One being Peter, very by test. OK, so that's one way of doing it. So the other way, you can actually go in. I'm gonna close this and open a new tab. And what I'm going to do is I'm going to type in project thought, Microsoft dot com and that should take me to my project online paint. If I'm not logged on, if I was just going directly without being long done, I would have to go to the log in process. But right now, since I was in locked in already, I went up directly to my toxic online and then here I can go to particular line. We're here correctly, this project in the web, and then we can go to project online. Another tap will open, and now I'm in my default website, which is Peter away. So I have to put in here, Pete, up the way my test, and then I should take me to my PW. My test. So that's how you can actually get to Pete of your This is probably more likely how your users will get to put me w a going through project online so they can log in to Pete up anyway. 15. Quick Overview of PWA Main Pages: now that we are in Project Online or PW, a particle BAP, we can start taking a look at what is available to us right here. This is considered the home page. That's why it's as home here. You have to get started with Partick Web app in here, and then you have the track your work. So getting started with project weapon up, you can actually create or import projects. You can have information of your new particle online. You can download Project Pro for office 3 65 which is now called Microsoft Partick Online Desktop Client or formerly known as Microsoft Professional. You could also potentially connect to Power bi I. If you have that hap, you can use gruesome, pre defined report to pull your data, and you can share your site. If we have a configured. Remember, we're configuring it in SharePoint. If you have a configure it that only sharing within the organization, then that's how you share it. And then you can actually put a logo in, and you can also add list libraries and other perhaps to the here, and I'm tracking your work. You can go to the Project Center, you can go. If you have any time sheets or things like that we have that feature upon you could go to approvals to go approve of times things, and then have any test are assigned to you. You can have that or any reports so this page can be modified and it could also be hidden if you don't want this for your users. But here we will leave it as is, which is doing in an overview. Right here we have the project Loco. When I covered, it tells me what the title that we put in for this site is unspeakably in my test environment here. You can actually put your local. Maybe we'll go over it clear in the course. And so to get to your project center, where you're gonna have all your files and we don't have any because you saw, we just we just created the site. So it's empty that has no data that we have created or imported. So to get the project center, you would either click on this link or you will click on the link down here. What's his track? Your work projects The left side over here is considered the quick lunch. So these are the links in the quick lunch. We can actually edit this links and add other things in here We would like to Right now, we're gonna go to the project centers or agree click on projects and it's not very exciting . We have not added any files, so we don't have anything to see. So since it's brand new, we can get started and again start adding projects that we wanted to. We can also try changing of you if we would want to do that. I just wanted to show you how it looks right straight out of the box, all of defaults. So the other things we had turned on time sheets, we could go to the approvals again. There's nothing to see the task page, and this task page will be what tests are assigned to the user that is currently logged on . If you're a good admin and have no testifying to you because you're not doing any project work, then you will not see anything in here. Even if you had a lot of projects in particle online, and then resource is this is where we will have our interprets resource pool. It's not configured yet, so it's empty and is ready for us to start comparing when we get there. And then, lastly, we have reports this link can actually modify ity, but right now it's default to go into all this different, pretty defying report in different languages, and then when you click in the one that has the language you want to see, you will see the pretty fine projects. So those are the main peaches that our users will see for now unless we configure it differently. And so if we want to go back to P. W. A. The home paint, we click on here and we're back to the home page. 16. PWA and SharePoint Settings Overview: in this video, we will be looking at PW settings and share port settings within Peter to A to change things. It's gonna be an overview. So we're just gonna quickly go over that. To get to these settings, you're gonna have to go to the far right side of this paint in the home page or any Pete within particle back repeatedly. So you click on this gear for the settings and you can go and look and see this first site contents is actually for SharePoint content because remember PW a lives within the within SharePoint and SharePoint sacked. And then we also have this site settings also to make changes there. And then we have the PWD settings. So we're going to go and see some of the SharePoint settings first. So we're gonna go to the site settings and here, remember, is for SharePoint here you can do users and permissions, but this we will not touch because we're doing how we're permissions through bw A. And that's repeatedly settings. So don't change things in here. Then we have a web designer. Galleries, for all intents and purposes, were not really going to change much in here we have all these options. If you're a SharePoint expert, you probably can change a lot of things in here. We can also do site administration. We can do search, weaken, do look and feel. Can do many things with look and feel side actions and then sigh collection administration . Okay, all the way down here we have PWC settings and give your in here. You can click on that, but we actually always tend to get our PW settings by going to the gear and then going down to Pete up to a settings. All right, so this is where we're actually going to do the PW settings, changes and where we do all or most of our customization to PW A. Let's start from the left down and we have personal settings. We can look at what are cute jobs would have for the current user that's logged in. So that's my cute jobs. We have delicate, turned on, can manage delicate, enact itself. Delicate for looking feel is where we manage our views for either the project center or the resource center. We can look at our grouping formats are getting chart format and then the quick lunch. The quick lunge is, Are all these links right here so we can go in here and modify that if we want to. We also have protection for workflow in project detail pages that we want to go into that and then for enterprise data. This one is important because it is where you customize your fields and look up tables. You also can modify your enterprise calendars and go to your resource center. So going to the resource center is the Samos clicking on here. Resource is and then reporting, and then time and task management is for the time sheet, and this is where you can actually toe figure your time sheet so that all users can access the eight tension and fill it up. If you want to turn that functionality on and this one, this one is very important. His security. That's what we've been talking about since Microsoft 3 65 There we configure users and groups. This is where we're going to come in and bring those group in to our people a site collection, and then we could also manage categories If we want to manage security templates. If you want to do manage user sync settings and managed delegates. And then to do that at this administration to make sure that everything is running well in pita pity for your users, we can go and manage que jobs. Also, sometimes you need to delete enterprise objects like projects. Or resource is if you want to delete users, you can delete them. Here also, templates anything that is an enterprise object. You can go in here and delete it if you need to. We need to make sure that we we don't just go believing things without knowing if we're gonna need, um, we have to be very, very short. You want to leave things every day Management and maintenance of Pete up to A It's actually forced checking in enterprise objects that they sometimes get stuck and so your users will come to you and ask you to help them out. And this is where we can actually bring in the files back in force, checking back in, and then the user will be able to take him back out once we forced check them in. That's a very important function, and then we have this operational policies. It's also very important for when we do our configuration. So there's gonna be part of configuring PW. A. It's very important, almost as important as the security peace, and we'll talk about that in another video. So that is what PW setting far. And I also showed you where the SharePoint settings are if you need to get to them, although we won't use them too much in this course. 17. BONUS Add a Logo: in this video. I wanted to do something fun, you know? Let's go. Had it logo to how were picked up the site. So the logo will live here right now. We have the project local. If you want your logo in here like I have, this is for my 3 65 tendency. That's where I put this logo. We can actually not put it in there and put it a local within pw a right. Now that I'm gonna put a logo, I'm gonna have a double local. We have the one for 3 65 and then a local in here in peaceably. And that's fine. We can always change that. So what we do is you're in the home, Pete. We can actually go to right here, get started with project Web app and go to your site or brand and conflict on that. And it will take you directly to go to change your logo. Or alternatively, we can go to this year where to the settings. Click on it and actually go to a site. Settings. This is for SharePoint, So site settings and he here. We're gonna go to the look and feel section. We're going to go and click on title description and logo. It will take us to where we need to go to put our local. So our title for our pita bleeding is still PWD my test environment. If you wanted to change that, this is where you would go. The title is that when you hover over your logo, it's going to show that as a tool tip. You can also put a description for your environment. And I think I told you to put in a description. We were setting all this up. I did not put description for this in here. We would have the logo and description section. We're gonna insert our local. The current local is actually in sharp point in this area of SharePoint. So if you ever need to go back to put these project local, that's what you want to do. That's where you would go get this address or go to your point and go look for that logo. But we want to add our own organization logo. So you go from computer and click on there, and then it should bring up a place where you had the documents are gonna choose a file and then you're gonna go look for that file. So I have so many. So let's just pick one that's picked this one. It's like on open. If you want to put the version comments, you can go ahead and do that. I'm gonna just click. OK, so now what we're looking for is that you gives your local instantly right under boards is inserted logo. It has already added that into your SharePoint site, and you couldn't go see the copy of your logo in there, and then you can already see where we used to have the project logo. Now we have our own organization logo, and we still haven't seen it. If you really don't want a picture and you don't want to save you the changes, you can just cancel and then the logo will not be at it. You can go find a better logo picture that you want to put in. Or maybe you just want to leave the project local on their, especially if you already have it. Anger make this up to 65 tendency, but let's put it in coming and click OK, and now anywhere I go in my Pete up the site when have my logo and when I hover Word it could say, Peter claimed my test environment because that's where I am and you can see that if I goto anywhere else on my PW. A site like clicking here will take me to my home page and my local will persist. I can go anywhere to projects. We still haven't configure it, so it's empty and the local still there. So that's pretty cause it'd anyway. Now you learned how to put your organization logo in to your PW, a site collection. 18. Activate Active Directory (AD) Sync with Microsoft 365: in this video, we will be talking about managing groups, these air security groups within PW A For this video, it will be activating the active directory. That means that we're gonna be sinking with the Microsoft 3 65 tenancy groups that we created earlier in the course. So to first do that, we need to go to settings. And then we got down to PW a setting like on that once we're here, if you look in the middle column and you can see at the bottom we have the security section of PW settings. So here we go to manage groups and we click on it and then I should take us directly to the manage groups page in Pwr. So here in this Pete, we will see that we have different default groups and these are the ones we're gonna use. They can be customized and you can great groups. But do they were just going to be amusing that default groups, you can see that there's an administrator's group portfolio managers portfolio of yours, project managers, research managers, team leads and team members. Each one of these has certain groups section that they have been chosen for them for security purpose like Let's just take a look at one of them. Let's take a look at the administrators group. This one will have most everything checked off that they have permissions to do. Well, just scroll down and see that we have Well, first of all, you don't have users yet, So none of our users on Lee the administrator is in here. We haven't configured the users to have permissions to be admin yet. So anyway, we scroll down. This means when it's not checked off, but they have permissions to do all of these. And then down here in the global permissions, the admin has admin rights for everything everything's allowed. And is this girl down? We can see that they have access to everything on the site. If you don't want someone to have axes, it's better to leave them unchecked and not ever used. Deny Deny is a very strong, absolute denial. We used that very sparingly can see here what we're talking about, what we're talking about permissions like for part EQT. If you are allowed to you to the section you have abilities to build a team on new new project, you can create a new project, you know, been a Partick template. You can save a project template and you can say on protective Beasley, so that's very important. And also for resource is you can have new resource is to your P w A. You probably don't want anybody else that happens to be able to create in the resource is so those are the kind of things you need to kind of keep in mind when given permissions. But Microsoft, when they created this security groups actually gave us were canceling out of this. I don't want to make any changes. Gave us some default groups already with the permission. So we don't have to go set them up, especially if we don't know exactly how to set him. Not yet. You may want to create a new group and great you permissions and that we will be talking about later in another video. But for this video, what we're gonna be doing, it's actually activating the active directory group sink. And that means that we are going to bring those groups like we created in Microsoft 3 65 tendency. We're going to sink them with those so that every time that we add a new user and we assign a group, it would automatically be sink in here. So the way that sinking works, I just clicked on active directory group sink options. The way that it's thinks is that once every 24 hours, this manage group will be sync with active directory from Microsoft 3 65 So that usually happens during the night. If you actually want to sink it at any time without waiting for that, for whatever reason, you can come in here and you can save and think. Now, right now, what we're gonna do is actually enable scheduled synchronization. And that means that it will think at night time or at once every 24 hours. And we want to automatically reactivate. Currently in active users, they found an active directory during sick. So if there is in the active users section of myself 3 65 then and there inactive, impede, agree, they will be switched back to active. One thing to really keep in mind if you're the administrator here setting this up, make sure that you are part of the administrator group. They were sinking with. So before we click anything else, I'm going to have another tab open here to war like some 3 65 admin center. So if you want to go open that up for yourself right here I have us already in under the group section and all our groups. You have to make sure you're in p w admits group. So if you go in here and you click on members, you will see that the owners is about Bob and theme members is just Bob. And I did not add myself. So I'm gonna go to at myself or else I'm gonna lose all permissions for administrating the site. Www. So let's go click on my name and I'm gonna save And what clothes? All right, so now Bob and I were PW sequins, and that's the way should be. So make sure you have your name in here from Microsoft or 65. If you are admin for this, we're going through this course. I imagine you are the admin, so make sure your name is in there so close, and now we make sure that we are part of the PW admits before we actually stink. Let's go close off from here. And then we're gonna go back to our PW Ri site and man's groups. Now we can safely save right here, and then we can move on. All right, so it seems like nothing happened. But now we have this set up as sink options, and that's what we wanted to do in this video. 19. Configure PWA Admin Group with AD: in this video will be configuring the administrators group here in P. W. A. And we're going to think it with active Directory or a D from Microsoft to 65 like we have talked about before. By this time, we should have already activated director group sink options. If you have not go back to that video, I think in the previous video or it's in this group of videos and go back and do that. We also want to be able to see in that video what the administrators group is like. So we're gonna click in here and do another little tour of it and also do the active directory sink. As we said before this, administrators groups, that's a group information, and then it description is the Default Administrators group created by Microsoft. We're not going to change the settings in here. We're on Lee going to add the active director group. So in here, working to start typing PW, a admin groups, and it should be able to fight it if you just type Peter the way you'll get all the other groups that we created. So depending on what you named your groups before in Mexico. 3 65 Those are the groups that will be available. So start typing that name in here and select the one that is for your administrators group . So, as you can see, we can go back to backs off 3 65 Admin center. Go to groups and we can see all our groups here. So it is called P A W A admits. So that's correct. We go back to Peter the way, All right, so we don't have to worry about putting in users because we're using Active Directory Group . If you have users that are not in active directory, which hopefully you don't or if you're not using active directory and you're just doing things manually, then in here you would have to configure your users first and then come here and then move your users over like, high like this and move it over. Since I'm using active directory, then I can't do that. I have to use a active director group, and then we don't worry about anything else. As we talked about before. We're gonna get all the permissions for admin. The admin has all the permissions to do anything within pw a make changes. Delete objects. Here we have the admin permissions specifically this group, so you connect to the change workflow. You can clean up project server database, manage active director settings, managed check ins, manage to keep building services. You can manage the enterprise calendars. That's an important one. Manage enterprise. Custom fields when we create custom fields is good to have this type of permission, and it goes on so that you can do different things with administrating PW. And then you have other types of permissions as well that are important to make sure that you can do all your administration work. So once you are done with adding your groups up here, your active directory groups, you can click on see. So that's what we're going to know. Other changes. We're gonna wait a low pit, where to finish, and then you can see this is an active director group, and now we have that group in here. It's PW Light admits we still have not sink with this group in active directory. We'll do that when we're always have completed or action. Let's go to have right now Let's go so we can see we're gonna go over here to active directory group sink options, We're going to click on it. And they were gonna go again. And instead of clicking on C, we're gonna cook, See in sync for a nice now. So let's see. Let's refresh your page. And now we can see that it has been sink to with our Pete of your admin is group and Microsoft 3 65 That's pretty cool. 20. Configure PWA Project Managers Group with AD: in this video, we will be configuring the project managers Security group were here in managed groups. Pete in Peter away. So what we're gonna do, we're actually gonna go and click on project managers here under grouping. And then when it comes up, we're gonna go over to active directory group because we're not going to change anything in group information. We're just looking defaults. And then right here were actually going to put w A. And then we're gonna go click on peaceably project managers. So if you want a double check what you put in for your project managers, what name? You put 12 part managers. I have this tab open for my macros after 65 admin center. We're going to click over there and then I'm already under groups. I have it open and I can see all my groups. And I do have it's called Pete up to a project managers. So that's what I'm using. I'm gonna go back to PW way, my tab. And so we have that in there. We cannot had users manually because we have synchronization on. So you told you right here. This group is sick quarters with active director. If you want to add or remove specific users, turn off the synchronization. So right now, we have it sick for a nice. So we have to make sure that we have all our users in Mexico 3 65 tendency. So then the other thing I wanted to show you here is that if we scroll down to global permissions, you will see that are project managers do not have any admin rights. So these are not checked off. So if you watched when we set up the administrators group, all of this was checked because we wanted administrators to have permissions. But we do not want the project managers to have permissions to do any changes to our things , like our integrate counters or custom field. We do not want to deny anything. Specifically, it doesn't work very well. It's better to just not allow it. So hopefully that makes sense. And then we scroll down. There's other sections like portfolio strategy. My project managers would not be able to do any portfolio, strategy, analysis or anything to do with portfolio. We don't have project Plan five and so we don't do a lot of portfolio stuff in here, but we do have those options, and we have them turned off here. Also, they have very little permissions to manage. Resource is, we want them to be able to use them, but we don't want them to be able to. Creating a resource is they need to use the resources that are already available. And then if we have the time and task management on for, like, time sheets and things like that, we don't want them to go make changes to time reporting fiscal period. We don't want them to be able to view the resource Times heat. We will leave the rest as is leaking school up. We have one more section to change that would not change the category section. This one here you get Jane did on Lee to give more permissions to your project managers if you want them to have more permissions, So let's click on my task. You click on it the category section. You'll see what category for their task they have. If you want them to have more for their tasks like they want to accept task update requests , they can have that for their own tests. and that's about it for their task. Well, that we want them to view. Resource is, I maintain a Simon views. I want that once you have computer and everything, and you test out what the user can actually see, at least for the ones we have done. Project manager and team member. And whatever you can do on your own for the other one, you can see contest out to see that they have the right permission per category. So for now, that's good. And then for projects where my partick that means this part IQs are owned by the project manager. You can see they have a lot of permissions. That's one they have managed resource plan. Do we want them to manage the resource plan? If you have resource managers, you probably don't want them to manage the resource plan. But since we did not configure the resource managers army, click yes, here that they can allow it. What else assigned resource is we do want them to be with you. Assign Resource is we do not want them tow headed enterprise resource data or everything else looks good. Their own projects, which is my project for the whole organization. This is what we want them to be able to do and see with everything that's part of the organization, not just their home projects of their own tasks. Do we want them to step task of their request for the organization? Probably not or built in my project. If it's other project would probably don't want them to able to do that great new task or assignment that's up to you if you want them to be able to do it for other projects. Owners, everything looks good. Oh, we do want them to be able to open other part ICS. Do we want them to be able to publish other projects? Sometimes it makes sense to have a whole Partick. Managers be ableto open each other's projects and be able to make changes and publish. It will be up to your organization. If you want to do this had minimum, I would want them to be able to see other people's part ICS. And sometimes when one managers out, another manager takes over, it could be dealt with delegates, but we're not gonna talk to palm delicates here. Depends on how you want it. But for now we'll leave it like this. Se Partick two Partick Server Yes, we're letting them open and publish. We do want them to say protect the baseline. This is another option that there's the protective baseline his baseline one through five. If we want them to be able to change the baseline for other project managers part ICS, then we will click this For now. I'm just gonna leave it as it is because we want one person to be able to manage the baseline and then view Partick scheduling the Web app. This is so that they can actually see the project schedule we have here selected that they can see it in the project summering. So we do want them to be able to see it also in the project. We're back to open it up and see all the task. And if there are any project sites available, we want them to people too. Skinny project sites available to a party if we don't want anyone to go in for the Project Managers Partick website because he has confidential information that not all the organization needs to know than the this unchecked. That would make sense and then the last one view resource. I meant in a Simon views for other part ICS that's there, not their own. With those changes, maybe that satisfies well, we need for our organization if you need to manage this and tweak it a little bit to give them less permissions or more permissions. You can always come back here after your users, or you test out the users you at the end of the configuration before implementation, and then you can go ahead, scroll up and click on save. Once it's done saving, you can see here under active directory group, we can see a project managers we have sink them with PW project managers from Microsoft for 65. We still haven't seen that we have sink it, so it will not sink until one time every 24 hours, or we can manually think it right now. So let's go to that. Let's go manually. Think it's you can see how it syncs with makes up to 65 click on active director group sink options and then in here. We configure it before, but we want to save in sinker. Nice now, so click on that you will not automatically see it. When the pates comes up, we're gonna go to cope information and not change anything. Portugal and make sure that it says team members and then have the default description and Microsoft put in there. We're not going to change anything in this speech other than active directory group, So we're gonna start typing in P w. A or whatever you chose to name your team members group in Mexico. After 65 I'm going to click on Peter Bay team members. So now that we have that, all our team members in that group will be part of the security group in P W. and we're going to go scroll down a little bit so we can see some of the permissions they will have or a lot of the permission they will not have. Like I said before, we do not want to make a hard denial. We don't want to deny, so we don't will never want to click in here. I mean, we rarely use that if ever it is very absolute and in my interfere with some things in Microsoft Project online. But we don't want them to have our groups to have some type of permissions. We just leave the Lao blank so team members don't have any admin greats. They also don't have other rights within the general part of it. They will not be able to access Partick Server Reporting Service. This is what we could connect to Power bi R To get some of our reporting, they will not be able to log on to server from Partick professional and they will not be able to manage any list in Pwr. They will not be able to re assign any task and they have no project permissions. They're not able to build any projects or in India team of resource is they have no resource permissions. They don't have any status, reports permissions. The only thing in time and task management that they do have is to manage time tracking and then views that can do some views. It's very much more restricted on what they can actually do in particle like the next thing we do is safe. We don't change anything in here with default except putting our active directory group in here. So it looks safe. Once it's complete saving, we can go and see that. Now we have team members, and it is pointing to the PTT members so that once it's synchronize all, the team members will come in and be populated in here in our users section of the security group. We haven't sink that yet, so we can go over to active directory group sink options. Click on that, then here we can click on Save and Sink or Nice. Now, once it's done synchronizing, we can go and refresh the page, and then we can see that it has been successful and synchronizing and against the date and time of the last organization. That's the way he configure your groups using active directory. There are a few other groups in here that we did not use. If you need to use those groups, go ahead and configure them. But for this course, we're just going to figure those three main groups. 22. Create New Security Group in PWA: in this video, we would be greeting a new group. I'm going to call that admin light. Sometimes we need a group that is a hybrid between power users and administrators. Usually the administrators an I t person, are very highly technical person. But some businesses have at Edward like group where they have the power user. That is really, really knowledgeable. And Pete of you a who can manage a lot of things within putatively except some of the very more technical part of PW way. So we will give them admin permissions that are necessary for that type of role. So before we start creating a new group, we need to make sure that we create a Microsoft 3 65 group. So we're gonna go to our Microsoft to 65 admin center, So I'm gonna click over to that. I already have a tab open. If you don't have it open positive video and gold. Make sure to log in to Microsoft Adamant center. If you don't know how to get there ago, watch one of the previous videos where it shows you how to get to myself to 65 right here already have the group's section open and you can see I don't have any girl for Pete up the admin light group. So I'm gonna add a group, and then I'm gonna do a security group. Click on next. Then I'm going to call it Pete of you, a light admin group. You can go ahead and enter a description right here and we just go click next. We've done this before, so we're gonna just quickly created great group and we're gonna close it. You might have to refresh a few times to get the group to show you can do the refresh button or refresh. Now I have it right here. So I'm gonna cook, click on PW light admin, and we're gonna go ahead and configure the members. So first of all you ask we've seen before. We have to send some owners. We're gonna add owners, and we're gonna make sure that Bob, who is our administrator, is the owner and the nerve according me No, we're clip, save close and then close again. So now we have toe. Make sure to configure the members, so we're gonna go get at members. We can. I'm going to randomly pick someone because this is just a sandbox for me is just a test environment for your organization. Pick the person that makes sense for you. So we'll click on Sandra Brown here, and I'm going to click on save before I do that. I just want to also mention that be cognizant of which users have already put in different security groups. If Sandra Brown I think she was in the team members group, we would need to go take her out of the team members group to make sure that we have repeatedly light at Hman Group shoes there. Make sure to do that. We're not gonna do that here because, like I said, we're quickly doing this. All right, so we have our PW light admin group created, and now we can go back to P W A and start making a new group. So we're gonna go to that tab before you start creating this. You might need to give at a few minutes for Microsoft or 65 to activate. Maybe we need to go and click. Activate directory group sink options again. Try that. We're gonna go in saving synchronize now to see we can't hurry up the process into being able to synchronise with a new group that we just created. So let's go and click on new group to start creating a new group and then in the add or edit groups working to start in the group, information and working, we're gonna call it at men. The light we're going to call this business at men rates girl, right? Girl, you can type in whatever you like in the description area for your group that you're creating, and then we're going to see if we can actually access the PDP a light group here. So we're gonna go P w a. And then it's not showing here. So what you need to do is give it more time for it to sink. Once it is, think you can try it again and try to find your group in here? We're gonna be back when it's all right. We are back. It took about 24 hours or more for this to load. It might be because we're in the weekend and so it might take longer. I've noticed that it may take a few hours. A few minutes. It doesn't matter. Just keep checking. When you get this issue, it should eventually load up. So here I'm going to go to our active directory group, and I'm going to start typing P W A. Now we have the P W. A light had men group someone picked that once. I have picked that since we've configured everything. Hells I can click on Save Once it has saved, you can clearly see that it's a top of the list. It's called Happen Light and it's on the group name and we can see that the active directory group has been uploaded into Pete Earley Light Hedman. So the next thing to do is to activate directory group sink options. We go there so it can instantly sink. We can let it do its thing overnight, but we want to make sure that we do that right now. So instead of clicking on save here, we're actually gonna put save and sink or nice, and now So we're going to click on that. All right, we're back in our manage groups, Pete, and we need to reload the page to make sure that we can see that it has synchronized. And now you can see that happen like group has been successful. Cane synchronizing. So now we have set up our new group in P W. A. 23. Delete Existing Security Group: in this video, we will be going over how to delete a group within the manage groups Paint in PW way. The group that we're gonna be deleting today as an example will be the admin light group To lead a group, make sure that you really need to delete the group before you actually delete it. And if you want to go ahead and delete it and make the decision, then click on here to select it. And then after that you will click on delete Group. Then they will give you a warning saying this groups will be permanently removed. Are you sure you want to delete this groups? If you're sure you can go ahead and delete this. So if any users are saying to this group they will no longer be a sanctus group and if they don't have any other assignments, they will not people to be in any groups into you add them to a group. Okay, so as long as you understand that, go ahead and click. OK, it may take a little bit for you to actually be deleted, so to be patient and then you'll get this peach back and you'll see that it no longer is here. So that had been laid. Group is gone. We have successfully deleted it. 24. PWA Users Overview: in this video will go over the users group or the user section and how to manage it. And so, the way we start wearing our home paint, we go to settings and then we scroll down all the way to receive Pete up settings. We click on it. We're working here in the security group and to get to our users weekly Godmanis User. So that should take us to the manage users page. So when we get here, since we already configured, our groups can sink them toe active directory. We have brought in all our users in from myself 3 65 So if we go that route to use active directory and we set everything up correctly him except through 65 we have our groups and users in there and every time we had a new user with a license and give them a group assigned them to a group. Then when the information sinks to Pete of the way which happens once every 24 hours, usually at night, then our new users will be brought right back in here and they will be part of our users automatically. That's the overview of our manage users peach and how we are going to work with the management users in here. 25. Manually Add a User: in this video will be going over how to add a user manually. That means that our user was created in Microsoft for 65 admin center, but it was not assigned to any group that we're bringing in. Sometimes that may happen. Hopefully you have all your users aside to a group. But if not and you need to use a user, this is what we're gonna see here in this video. All right, as you can see, these air the users that we've seen before. And so I went to Microsoft or 65 admin center. I have another tab open. If you don't have it open, go ahead and go open it. All right. I'm 1800 users, active users. I've added a user called He's is a Bill Smith, and you can see right here that she has no group decided to her. So she's just a user and not the same 20 groups that were bringing into P w A. So we're gonna go back to Pete of the way. So I'm going to that tap and I'm going to click on New user so we can had his a belt. So the first thing we do is that we leave. This user kept using is a resource because we want is about to be part of the resource group. If you don't want your user to be part of the resource pool, then you can uncheck this here. The other thing we're gonna do is we're going to go under user authentication and you have to have a log on email that is associating with Mike's doctor 65. So here I'm gonna start typing Isabel that I show Isabel Smith. So she's already in there. I'm gonna choose her. And then after that, I'm going to go all the way down, and I'm going to just click on Save once Pete of it is finished saving the user, that user doing everything behind the scenes you can see now under manage users that Isabel Smith iss within a large is our list. If you need had a user manually, this is the way you do it 26. Export User Information to Excel: Now that we have set up all our users in the manage users. Pete, maybe we would like to export two Excel, and that's easily done in here. So I just wanted to show you in case you need to do that. To do that, you will go here to the manage users paid in PW any settings, and then you will click on export two excel. It will work on it for a little bit. And then you will get some wearing your brother, depending on what browser you have on my brows. But I'm using right now, I get this export on the bottom left side of my screen and I may click on open file, and it opened right here that I can see that my user names and is your information active here? PWA Delete a User: In this video, we will be talking about how to manage users, that we want to either delete or inactivate so usually best practices for project online his to inactivate a user that we will no longer use. Sometimes we do need to delete a user so woke over that as well. We'll go over inactivating user first. Say, for example, here on my list of user names, I want to inactivate Isabel Smith. So if we go here, every one of our users right now is active. We will go and choose. It's a bill, and we're going to click on a simple Smith and then the use information will come up and then we can go down to account status. And then we can open the drop down menu and click on inactive That is gonna tell me that's a warning. Teddy bite. Deactivate the user. They will inactivate their accounts in peaceably way. Your project. We're back so they will no longer be able to do any functions in PW A. They will not be able to go in and do anything or their time. She they're completely being activated. So that's what we wanted to just make sure that you know that that is gonna happen and then click. OK, Once we do that, we click on Save. And once the manage users p to reload, we can go see that Isabel Smith is now inactive. If we really wanted to delete this user, we would go in to our gears settings and then go down to people. You A settings. And in here we're gonna go under the Q and database administration and in there on the second option is delete enterprise optics. We're gonna go ahead and click on there. Once his delete interprets optics, Pete comes up, we're gonna go under. What do you want to delete from Partick? Web app. We actually want to select Resource is and users, so that will take a little bit to load up. It's gonna change the view here, and then we're gonna see all our users so we can say, See that Isabel spirit is still here and she's not active and she's not checked that. So that's good. We can't choose. It's a Bill Smith, and then click delete. This is gonna ask me if I'm sure that I wanted to leave the selected items before we click . OK, I wanted to make sure to understand that any projects owned by the reserves you delete will be reassigned to you or the person that is deleting this resource. So if you don't want that to happen, you need to make sure you go ahead and reassigned. Other resource is in any project that's the same to the user, and also you can't really resource. The users are currently checked out to other users, so you need to go make sure to go forth, check in all those partick that might be the research might be in there and you might want to reassign the resource is to other resources so that we can delete Isabel Smith. And to do that, you can actually click in here to force chicken in those extra price objects. Also, you need to be aware that any user deleted here. We also have it's corresponsales user accountable from the site collection. So if you're okay with all of that, permanently delete this user, go ahead and click OK, once Peter leeway is done leading the resource you can see right here under resourcing users that Isabel spit is no longer a user in PW way. If you want to make sure that Isabel Smith is no longer in our users group, we're gonna go and click on the gear, which is for the settings, and go down to beat up way settings. And then we're gonna go to manage users. We could go toe unmanaged user's page, and in here you can see that Isabel Smith is no longer part or manage users Page. That's how we inactivate. A user in Peter blew away, and also the more permanent removal is to delete the user. 28. Categories Overview: In this video, we will be talking about understanding how security categories work in project online. So far, we have talked about managing security users and groups. Now it's important talk about security categories. Each group has one or more categories assigned to it. This is because each category gives different types of access to projects resource is and views, so each group has a different category. Level off permissions. In this diagram, you can clearly see the intersection between categories and groups. So as you can see for my organization category, everyone within administrators all the way down to resource managers has permissions to my organization category. For my part, it it makes sense that project managers, research managers and team leads have information to any Partick that they own. And my resource is is for any resource is that someone owns. So the resource is our for resource managers and team leads. And then the my task is we're tasked our own by team members. So we keep scrolling down. We can more information, and here is sort of a legend of what each one of these abbreviations means. So my organs my organization, my dear, my direct reports my project is my project. My rest is my resources might my tests. It would keep scrolling down. We can see the permissions thing. And then what type of permissions is granted to each one of these were not going to go all forward, but it would be like a sign resource. You can see administrators have my or my or project managers. My York and resource managers just has my resource. Also right here for deleting a project. Administrators have permission portfolio managers and project managers.
