1. Excel charts 2019: eso This data that we're looking at will make a great chart and I'll show you why. Because it has the column headings and has the row headaches. Now you don't need those things to make a chart, but it sure is going to make the trial look a whole lot better when we have the column headings and the road headaches. Now, sometimes during the session on making mouse do that so you can find a mouse that way as well. All right, And you can see I do have the newest version of Excel. So if you have anything from Excel 2013 onward, then the screen should be pretty similar to what you have. Eso will make this chart, and then we have other charts to make a swell. So first thing you want to do is you always want to highlight your data, so I'm gonna click and sell a three. And when a highlight from a three over toe I nine now the reason I am starting on. So a three. If you notice my first row continues my column headers and my first column contains my row headers. That'll pretty much guarantee that the tricycle look as good as possible. All right, so at this point, let's start our first truck. Most year charts can be found under the insert minion, So pecan insert, and then you have your try types over here. Now they have added some new chart types recently. They maybe towards the end of the session, I'll show you some of neutron types, but let's go back to a classic. I'm gonna remember, Master, and it says Insert column or a bar track. And then even if I click on that, there's different varieties. So there's many different types of chart here and excel in their always any more and more so When you click in the 1st 1 and just like that, it makes it pretty decent chart for you. So if you highlight the date of the correct way to try school, look pretty good. Now, of course, will be able to enhance that chart, but it surely not that bad right from the beginning, if you have it to chart the proper way. Now let's go over some of the chart terminology. The numbers on the left hand side that's called the Y access. Where is his January, February and March is called the X Axis. This guy over here is Coble imagined the lines going across the chart that's called the Grid Lines. And we even have a chart title. So to make it larger I'm gonna click on the child, follow the mass down here to the corner, and we'll get the sizing handle. I like to use the sizing handle in the corner, so it'll keep it in proportion. So I'm gonna get the size of hand on drag it out. Of course, it could become bigger and easier to read. So to resize your chart, you're going to click on it Now. If you look at my mouse. There's also sizing handle at the top on the sides at the bottom. But I like to use the one in the corner, so it'll keep it in proportion. So you get the size and handle your stretch it out. Of course, there gonna become bigger and easier to read. All right, so now let's go further with our chart, Of course. Now, in this case, you're gonna click on the chart, and then you get two extra menus in the trial you could design and you get format eso. Now we can also use the icons in the right hand side the chart, and I'll share those in a few minutes. Let's go with the design menu. So over here on the left hand side of the chart that says Add chart element. So that's what we used to call the chart options a long time ago. So this year, or the heart of the chart right here, let's go through some of those choices. If you didn't have a chart title yet, of course, like to have a try title. So picking the word chart title and I pick on above chart and if he didn't say chart title before. Now it'll say, Try title, right? Of course you want that. You want that to say something different. So you're gonna type right right over that if you click on the try title so that it is selected, and then I'll tape in 2019 budget. And then when I hit the Enter Key, the tri title now says 2019 budget. So it almost always had to have a try. Title another title that, like two halves over here on the left hand side. Next to those numbers you've seen these before. It might say dollars or gallons. Our cases, whatever it's going to set. That's called the Axis title. So again on the design menu. And then I'll see, add sharp element and then I pick on access title. Now the horizontal title is at the bottom, and the vertical title is on this side, so it's a primary vertical, and then those over here is his access title on the left hand side. Of course, you want that to say something different, so I type in dollars and I'll hit the enter key analysis dollars on the left. So I would almost always wanna have an access tighter on the left and almost always wanna have a chart title. Now we know what is talking about. It makes more sense. You see this guy down here at the bottom? This is called the Legend Measures going to show you the color and what that color represents. Some people want to see the legend. Some people don't. Some people would rather have that at the top or on the left or on the right. Well, we have control over that as well. So pick on, add sharp element legend. Now, if you think in the word none, it will disappear completely, but no. So I can put it on the right, the top, the left for the bottom. Now I'm gonna leave, find on the bottom. I just want to show that you can rearrange the legend that's gonna be right down here. Now, A lot of people like this next one, they might ask you to put the numbers on each individual bar. That's called a data label. Now, if we did the data labels right now that it would show the numbers on all of the bars. What if I just went the numbers in the purple bar. So picking the purple bar notice how all of the bars of the same color are now. Select it so we could do it more at the same time. This time, I'll say add short element and then David label and I like the one that's called outside end, but you can always try the different ones. So pick on outside and and those are the numbers are on the top of the purple bars. So when you want the numbers in the bar that's called a data label. Another way we can add numbers to the chart is the data table. Let's see what that one does for us. So pecan add show element David table, and I'll choose the 2nd 1 here with legend keys. Let's see what that does. Knows how puts the numbers below the chart. Maybe like it that way. That's called a data table here might be a little bit too busy, but at least you know what that is now. So we're gonna take that away. I said, Add chart element data table and I'll say none, so you can easily add things to the chart or take things away from the chart as well. Now the issue. The lines going across the chart. There's a called the grid lines. Some people want to see the lines some people don't. So I'll say, add sharp element. I will say grid lines now already have the horizontal lines. I would like to see the vertical lines, so it's a primary major vertical, and now we have the vertical lines as well. So that's how we have a lot of flexibility on this tripe. Now. A lot of people like this next one. It's called a trend line. The trend line will connect connected. That's between the serious and should the trend more clearly. So I'm gonna click in the Purple Siri's again. Then I'll pick on Add chart element, and they will pick on Tranda line Now. Sometimes the trend line is not available, depending on the chart it that you've chosen. But you could see it's available for this one, so picking there were a trend mine and I pick in the word linear, which is gonna make a straight line, and you could see how connected the dots between the Siri's that's called a tremor. Many people like to see that now with the trend line, we could do something special. We could make it do a projection into the future. So here's how you can go further with any tribe you can double click on any part of the chart. So I'm gonna double click on the train line right there and then those. How do you get this extra window on the right hand side? Eso with the extra window. Then we can, you know, do a lot more choices, as we can say now, in this case, because I double clicked on the trend line, it says format trendline on the extra window. So my point there is You can double click anywhere on the chart and get the extra window from which you'll have a lot more choices. Even here. If I pick on the bucket, you'll get some electoral choices. Or if it picked on this I, kym or this icon, you get even more choices. But they're all about the trend line, so I'm gonna pick in the three bars trade fair. I'm gonna scroll down and look what it says forecast forward. So I'm gonna change that zero to a three, which in our case will be three months that I'm gonna close that window. And how did it projection into the future? So again, watch again. I'm gonna double click on that trend. Mind double click that open up the extra window this time of picking the three bars over there and look what it says. Forecast forward. And I'll change that zero to a three, which in our case is three months gonna close that window. And it really did a projection into the future. Just remember, you can double click anywhere on the chart and you get the extra window from which you have a lot more choices. Now, what if you what if they change their mind and they don't want to see that anymore? Which happens all the time, right? So then I'll just click in that trend line and then hit my delete key so you can always add things to the chart or you can take things away from the chart you're never set in stone. It's pretty flexible. Eso we picked on the design menu and we said, Add shot element and those are great things to add to your chart or take away from the child. Now here's a new way. You can do the same thing now. This started in Excel 2013. So if you have, if you have Excel 2010 or something before that this is not gonna be available for you. I'm gonna click in the chart and then you pick on the plus sign and then as a way to get to the same futures. Once you get used to that plus size actually quicker to use that that is to go all the way back to the top. So that's another would add those try elements. As you can say Now, if you want to get rid of that window, just picking the plus sign again. Good. Let's go through these other icons on the right side of the chart. So I pick in the paint brush in the present, but the paintbrush is the chart styles, these air preset formats, so you might want to try some of this. Here's a really going by the way, the 2nd 1 well, actually put the numbers on each individual bar, so that was a really, really quickly to do that I just clicked in the paint brush. You see the chart styles and he's just tipping that 2nd 1 And just like that, the numbers are on all of the bars. Sorry, that was really quick and easy. I let those trite styles and you can see there's a bunch of them now, once you pick it sharp style, Of course you can customize it from there with a tremendous head start. I like that one right there. And now it actually put the legend on top. That was just part of the style. I can change that if I wanted to. No. So that window is still hanging around, so just click in the paint brush again to put that away. Now, let me show you what the funnel does. So you may call that a filter. I'm gonna pick in the funnel. You see here, I can take those sections away or put him back again. So what if I want to see? I don't want to see the accounting section anymore. Uncheck wears his accounting and then you come down here and you're picking the word apply . And that took the accounting section away. As you can say or if it went to add the section again up when a check where says accounting and then pick on apply and that s back again. So once you get used to those icons on the right side of the tribe, they're very helpful. As you can say, when I click on that like a funnel again that put that window away now Ah, let's go through some more choices. I want to show you one that's called a spark line. Spark Line is a miniature tribe. It fits in one cell. He's a really catching on because it doesn't take up a whole lot of room. Now you should. It doesn't have to go there, but many times it's going to go in the right side of the road or at the bottom of the column. So that's why I'm gonna pick on Cell L four. The pick on to get a spark line of picking the insert menu. Of course, insert. Now follow my mouse here it says the word charts that's called the charts group, then you go to the right of that and you come across the spark lines that's called the Spark Line group. Then I'll pick in their column right there. Then, uh, you get this window for the data range, your gonna have that current row of data. So I'm gonna have to see for toe I for you just have, like, one row of data and the location range says l four, which is where it's gonna land over here. So I'm gonna click. OK, that's a spark. Like it's just a minute, sir. Chart. You see, people like it because it really doesn't take up a whole lot of room. Now, what's nice about that is as the data changes, then the spark line is gonna update. So I'm gonna come over here and I'll type in 16,000 and knows how it's going up and down. Right? So as the numbers changed them that also change, it's just a minute your child. Now, what most people most people do is copy that down. So I'm gonna click in the spark line. I'm gonna get the Black Cross that's called the Speed Phil, and I'll drag it down. And now each individual row has their own chart physical spark lines. Maybe you've seen these. Sometimes they go all the way down the page. Now here's how to change the colors of the spark line. We're gonna click on one of the spark lines, become the design, then you and then here I says, sparkling colors. I can choose the different styles now on the design menu. I'm gonna come over here. I'm going to say, High point and low point right now, the low the low number is very hard to see but clear the high number really stands out. So when you click in the spark line, you could pick on the design menu from which you can form at the spark line. So maybe you've seen those doesn't really catching on. Let's go back to our other chart. So my clicker is his 2019 budget that's called the chart title, and another way to go further with your child is the format menu appear So pecan format. Eso. This is where I could change the format of that one section that you have selected. So this window opens up. It's gonna cooking that paintbrush to put that away, so ones that I use would be like the shape fill. It will be the background color of that section that you have selected. The shape outline is the border color. Sometimes I want a different border color, as I do for the fill color, and then the shape effects are special effects that you can try as well. So I think these shapes styles, these air preset formats, so pick on that shapes styles and that you have many preset formats, so I'll use a red. And now the tri Tyto is in red. In this case, I'll pick on dollars, just called the Axis title. Then I make that red as well on the format menu. So you can really customize this chart to the empty degree, and this would work on existing charts as well. Now, you know, obviously we can make that any way you want it toe between your design menu and the format menu and the three icons in the right side of the chart that's going to give you great ways . Teoh. It's going to give you great ways to customize your tribe. Remember, you can double click anywhere on the chart and then you get the extra window from it. You'll have a lot more choices, so that will give you some things to experiment with this. Well, I want to go to save my spreadsheet when I say this spread she than the chart will also cheat. Save with it, of course. Now one of the features one of the future that want to display today. We want to talk about how to get that chart from Excel into Power Point where Toe Word or any of the Microsoft programs. I almost always make my chart in Excel. And then we're gonna copy and paste it over to the other programs. But I'm not just gonna use copy and paste. Nobody is copy and paste special and I'll show you why. Now you want to move your mouse onto your charts of your masses chart area like that? Is you in the background That will save chart area. Where is this try area? I want to click there, and that will set the entire trial, which is really important. And then I just threw a copy. I just right click on the try and I picked on copy. So you want to move your mouse to wear, says chart area. You click there to selected entire tribe, and then we'll just do a normal copy. Eso. From there you go to your different programs, so I'm gonna minimize Excel, and then we go into Power Point so I could do this to an existing presentation, or I could do it to a new presentation as well. So this go to a new presentation, file new do a blank presentation. It would work on the existing presentation as well. So now the same exact step will work in word or PowerPoint or outlook or physio or a project or any of the other Microsoft programs. I did a copy from Excel. Then you come to the other program and you pick on the home menu and you pick in the podium , wears his paste, and then you click on the word paste special, and then you get the win. It is called paste Special. There's two reasons why I like to use a pay special rather than just normal paste. First of all, it's gonna look better. It really well, it looks better when you do a pay special rather than just know apace. Second ball says Paste link. That means if I train used to chart in Excel, it'll change it here at the same time. So pick on Paste Lake and we'll click on OK, here we are in Power Point yet there's to try for mixed cell. It looks pretty good. Looks pretty good because we did a paste special. We also said Paste Link. That means if I changed the charts in Excel, it's gonna change it here at the same time. I see if that's the case, so go back to Excel. Let's make an obvious change. So I'm gonna click on the chart title and I put in the format menu, and this time we'll go with we'll go with Blue and I'll come over here and picking the word dollars and make that one blue as well. So that's a pretty obvious change. I went from Red to blue, this case I'm going to save the Excel spreadsheet. Now let's see if it changed in Power point as well, and you can see that it did. Now it should change automatically in Power point or in the other program. If it doesn't, you're gonna click in that chart in the other program in this case, Power point, right? Click on it and then pick on update link. So if it doesn't update automatically, just pick on Update Lake and then it should give it a new a strike. That worked because we did a copy and excel, And then we came over here to Power Point and then we did paste special and then paste link . That way, if we change the chart and excel, it'll change it over here as well. That are working word Power Point Outlook, Visy Oh, Project or any of the other Microsoft programs. Now, I don't really need to say this Power point presentation right now. Of course, in real life, you would actually save that. So I'm gonna close that power point and I'll say, don't save, you know, in this case now, let's go back to excel. Here is the classic column where the bar chart let's make a pie track. So I'm gonna highlight from a three over to ah see nine. Let's say you just want to plot January Now the pie chart can only show one column of data at a time produce and I'll show you when that's called a a doughnut chart, and the donut shop can actually show multiple columns the pipe track and only show one column of data at the Times. That's why I have January selected in this case will pick on the insert menu. And when it comes over here and pick on the pie and I pick in the 1st 1 good now I would never leave it there. I want to make sure that it's not on top of the data. So I pick up the chart using you know, you move your mouse towards the strike area, just drag it somewhere else, so it's not in the way good. So let's move over so you could see that shot good. And then, of course, I would resize That truck is in the sizing handles now with a pie chart. We almost always want to see the numbers on the pies to remember how the numbers are called the data label. So pick on the design menu and I said, add chart element and then data label, And then I think the one that's called outside end. But you can always try the different ones. Good eso. Now we have the legend down here and the number. Now, this is something interesting. We can do it. A pie chart. I could separate the slices. So let's say want this place to be separated. I'm gonna click in that slice, and then I'm gonna click in that slice a second time so that slices isolated by itself, and then I'm just going to drag it out. So it looks like I'm focusing on that one section of the of the pie. So watch again. You pick on a slice and you pick on a second time, so it's isolated and then just drag it out and it looks like we're focusing on that one section of the pie. So there's your classic pie try. So I'll just move this chart over here. Excellent. I want to show you a combo chart. So if you notice over here we have the percent of total and the percent of total is much smaller than this other numbers. So if I try to put the percent of total on the same chart at the same time, you would hardly even see it because the numbers are too small. So we're gonna try to make a combo charge so we could display the percent of total at the same time. So let's see how we're gonna do it. We're gonna make a new chart this time, so I click on so a three. And how about all the way from a three to K night? This time I'm gonna include column K. Now we're going to start off is a normal child. So I'm picking the insert menu and I'll pick on the three bars again. The column with the bar track and I pick in the 1st 1 Good. Now we might as well move the chart. So I'm just gonna pick up the chart and just drag It may be below the other one. This way, it's not in the way of something else. And then, of course, I would resize that. So get the sizing handle and stretch it out. Good. So notice how we can't even see the percent of total because the numbers are too small. That's what I'm trying to deal with. Now, before we deal with that, one noticed the total section. The total section is a little bit too big right now, So I actually want to hide the total section. Here's a really quickly to do that. It's what I showed you before we're gonna click in that little funnel, so picking the funnel, then we're gonna scroll down. I'm gonna uncheck it, whereas his totals and then I pick in the word apply. Good. So that's hid that section so that once you get used to those icons in the right hand side , they're very handed. So I'm clicking the funnel again to put that window away. Now I don't see the total section anymore. In fact, the other sectors are more prominent because of that, but I still can't see the percent of total. So that's what we're trying to deal with now. The next thing that you want to do is you want to get there were percent of total. So it appears on the legend the way we did that. IHS, you're gonna click in the child, we'll pick on the design menu and you say switch row and column knows how to put said the months name, the month names and the percent of total on the bottom here on the legend. So you have two different views of every trial you could pick on switch row and column to see the other view. Help. Now it's back to the other way. I don't think on switching round Column again so you could do that with any chart. You could go back and forth with two different views because of switch row and call. Not aware, percent of total is on the legend. It's that green section should be right here and right here and right here. And I pick in the world percent of total a second time so that we it's isolated. See what I mean? It's kind of by itself. Now, here come the important steps. I'm gonna change the chart type of that one section only, and then we're going to get it over here on the right hand side on the second access. So what you do is you say change chart, type up there on the design. Minya Now you see how Excel has many chart types, but because I have that one section select it. You can change the chart type of each individual section over here. So I'm gonna scroll down until we could see percent of total. I'm gonna click in that pull down, and then I'll make that one a line chart type. You see, I'm just using the chart tip of that one section and then look over here. I'm gonna click where it says secondary access, which will be on the right hand side. So are clicking, OK, and that is what I'm shooting for. The Green Line is the percent of total I can tell by the legend, and now it's on the right hand side, which is the second access. We used to call this a two axis chart a long time ago. Now it's called a combo chart because part of is a column and part of his a line on the same charge, and usually line will be on the second access on the right hand side so we could show two types of data. Now, what I like to do is I'm gonna click in that line. I let the add the numbers to the line. Remember how the numbers is called the data label. So I'm gonna pick in the plus sign to the right, and I'm picking. There were data label, actually, let me show you something. This is really subtle, but I'm gonna click in that hour to the right of the word data label. And then I like to have the numbers above that line. I saw picking the word above. Get that window out of here for a second. So I'm gonna click in that line. I'll get Thea plus sign and a pick on their date of Abel's pick on that with, uh and then I'll make it above. Actually, the other way I could do that is to design menu. I'll say, add chart element Day label and I'll say above good. Excellent. So that's called a combo chart. It is one that people use a lot because this one we can show two types of data on the same screen at the same time. Grid trite. That is called a combo chart. Now, earlier, I choose it up the pie chart or is that pie chart at their this but the pilot shark and on his show one column of data at a time. So now let me show you one that's called a doughnut chart. I'm gonna come over here. I'm picking the sheet where it's called Donut Chart. Now, the donut chart can show more than one column at a time. Here. It will show two columns on each connell showbiz. A different ring on the doughnut. So have two rings on the doughnut. If I had three columns of data, then where you had three rings of data on the donut chart, So let's see what a donut shot looks like. I'm gonna highlight the data from a three to deny we'll pick on the insert menu. Then it's going to be under the pie category right there. And then I'll pick in the doughnut, right, fat. So I'm just gonna move this around and be resized that so notice how we had to columns of data. So we have two rings on the doughnut. If it had three columns, we would have three rings. Yeah, Now this will really benefit from the data labels. Here's a quick way to do that. Pick on the design menu and I took in the day labels, right? Like that style is what I want to say that put the percents onto the donor. Try, But let's see how we can go further with that. I'm gonna double click. I'm gonna click in that number right There are, in fact, a double click on it. And then it's his format data labels. Good. So they were actually over here on the right side window again. So over here, I'm gonna go ahead. And, uh, I'm gonna pick on the three bars right there and then I pick on labour options. Good. So in this case, I really want to see the serious name and the value and with uncheck it where says percent . So I could see those numbers represent January. Then I pick on the number of the outside ring, and I'm gonna uncheck it where I says, Well, pick on serious name and then value and then uncheck words has percentage. So it turns out the outer ring was February and the inner ring was January. If we had another column over here, then that would be the next outer ring. So you can see the donut chart is a new way to display the data. The advantage that it has over the pie chart is that the donor try can show more than one column of data at the same time. All right, so that's a new way to display the data. Let's try some more charts here. I'm gonna go to the sheet that's called the Bar of the Pie. This is an interesting try. Essa knows how this pie is then broken down into this section is called a bar of a pie. Now, this is kind of the old style. When I do it right now, it's going to show you the new style. So I'm gonna click on that chart, actually lead it with my delete key. So I have one column of data here, and when you first do it, the bottom three, like always, the bottom three will be the ones there on the right hand side. But I'll show you how to move them around. So I'm gonna hide out that information. Then we'll pick on the insert menu and I'll pick on the you know the pie again, and then I'll go with it. Could be a pie of a pie. You know, you could see what that one looks like. But I like this one. The bar of the pie. All right, so pick on that one. It's gonna move this around and resize it. Now, if we look at the legend, Bill is the orange section. Mary is the dark blue section, and Barb is the red section, and you can see that was the bottom three. So the bottom three always go on the, you know, the the bar part. So, in other words, the screen section represents the personnel, and the personnel is broken down into Bill and Mary and Barb. This is where I would double click on that section so that we could see the extra window over here on the right hand side. Eso it says format data point at this time. So I just I'm just going to click into three bars there to get some additional choices, and the sea were says Point belongs to well, over here. This is called the first plot. And over here this is called the second plot. So look on the same point belongs to the second plot and then watch what happened. Now Jim Smith is now on this second section. So now if you have Excel 2016 or Excel 2019 now you can actually make some maps as well. Now, the data that I really work with the maps is countries like I half or states where a zip codes soas faras it. No, you could make maps out of the countries if you have state data or a ZIP codes that if that's gonna work for you as well. So I want to How did this information knows How have the country over on the left and the amount over on the right? So we'll pick on the insert menu and then those have this one that's called maps. Now this is actually going to connect to the Internet. So you have to have Internet connection when you make this what I'm sure most even have that. So pick on maps and we'll pick on this one. So then, if you move your mouse to the blue sections, it'll then show you the country and their dollar amount is that correct US dollar as his 1 72 eso.
