About This Class


In this class, you will learn some basic productivity techniques that focus on decreasing personal effort while maximizing results. You will learn to identify High Value Tasks or tasks that contribute the most value to your work while also being mindful of tasks that are considered Low Value, that could be delegated, eliminated or procrastinated on. We also discuss Deadtime or time throughout the day that is mostly used to complete automatic behaviors, which can be used to boost your productivity and confidence level in your own abilities. Lastly, you'll learn why, when it comes to productivity, slow and steady wins the race and why taking scheduled breaks as well as minimizing multitasking will benefit you in the long run. 

This class is meant to be at an Introductory Level with regards to the research discussed and productivity methods mentioned. It does not attempt to cover all aspects of productivity research as it is beyond its scope. 1. Introduction : a lot of us think that because we're busy because our time is occupied or preoccupied with a number of very tasks. We are productive people when in fact, being productive means being efficient at what you do and therefore creating results that are measurable. Hi, everyone. My name's catcher, Jovan. I'm a lifestyle and business coach, And here on skill share, I teach classes mostly related to productivity or how to implement behaviors or new habits into our routines. So if you haven't taken a look at, you can go ahead and see some of the other costs that I talked about, including one on how to be procrastination. If that's one of the things that you struggle with in this class, what I'm gonna try to teach you is how to properly manage your time in order to boost your productivity. Do you feel like you're always busy like you're working so hard? And yet at the end of the day or at the end of the week, you still feel like you're not accomplishing as much as you have set out for yourself or as much as is expected of you. Now a lot of us fall into that trap. And what that means is that inherently we're just not as productive as we wish we would be . But there are ways to fix this, and that's what this class is gonna try to teach you in showing you how to properly manage the way you spend your energy where your focus goes and trying to maximize the results that we expect out of ourselves. And these principles, or these tips that we're gonna talk about should be able Teoh, if implemented right away, boost your productivity within a week's notice. I honestly feel like when you're focused, and when you're investing your energy and your time into the right tasks, you will see significant results in your productivity. So if you're ready to get started, let's get going. 2. Productivity Booster 1: when you acknowledge that you have all the time in the world or at least as much time as anybody else to accomplish whatever it is that you want dio, things become possible. We're working with the same constraints that everyone else works with were limited by time . So let's talk a little bit about productivity and how we measure productivity. Now a lot of us objectively measure productivity in the wrong way. We tend to think that if we're busy, if our time is filled with a number of tasks, a number project, we are productive when in fact we often do not pay attention to the actual output. Will we want to be doing is looking at how much effort we put into a goal and what the outcome of that effort is. That's what productivity is, and ultimately what you want to be doing is put in little effort and have maximum results. What we're trying to look for here is those 20% of the tasks that are gonna lead to around 80% of your outcome for the desired outcome output results that you're expecting to see, and if you haven't heard of it, this reflects the Barredo principle or the 2080% rule. And the Pareto principle was developed by Italian economist Wilfredo Peredo, who noticed this 80 20 rule as applied to a number of different fields. And he calls it the law of the vital few or the principle of factor. Spar City, which states that for many things in life, many situations roughly 80% of the effect that is noticeable or measurable comes from 20% of the causes or the effort that's put into it. And this is an effect that's also been noticed in terms of productivity. You're gonna notice that 20% of your efforts will result in 80% of the output they expect to see now. The problem is that, unfortunately, a lot of us spend quite a bit of our time on those other 80% tasks that Onley yield. About 20% of the results were expecting to see, and so they don't contribute enormous amounts to a productivity, and yet we get stuck in working on them for a variety of reasons. Number one. We tend to procrastinate on those 1 to 2 tasks that are actually going to help us be more productive and we tend to fill up that procrastination time by doing those other 80% task. Now the problem with focusing on working on the wrong tasks or low level tasks, as we can call them, is that you get this illusion feeling of productivity when in fact you're being completely inefficient. And yet at the day you might still feel like you're doing a lot right, because your time is being kept busy by a number of tasks. However, in terms of actual output or value deal work, very little is being done. My recommendation to you is the really narrow down your focused on those two tasks that are going to yield the most result, and the way to do this is first of all, identify them. Spend some time analyzing where you spend your time, where does your energy go? And if it's not going in the right place, then you need to refocus that attention. So what can you dio in order to focus on the right tasks? Well, you have to know what those tasks are. Which ones are the ones that are gonna lead to the most results, and if it's something that you can do on your own. You can talk about that with your employer, with your boss with co workers, and try to figure out where your energy and focus should be going in order to see the results that are expected of you. Now the other thing that I have is delegate eliminate or just procrastinate on those 80% tasks that are considered low value or that do not significantly contribute to the outcome that you're expecting to see. This is something that we call a proactive procrastination, where you choose to procrastinate on things that actually do not impact your productivity so much. So it's something that you can use in order to see the results that you're hoping to see now. The other thing that I want to mention is that the best way to see results by implementing this new technique is to actually track your behavior. So track it for a couple of days and see whether implementing this new change actually results in the changes that you're hoping to see. Because obviously we might not get a right right away. Our focus should be somewhere else, and that's fine. It's something that you can always adjust. And if you finally find yourself in a routine whereby your productivity is increasing, you have eliminated some low level tasks. Then it's something that you can just come back to every few months on, and we had just along the way. Now some of you might be wondering, So why is it that if only 20% of our effort is required in order to achieve 80% of the outcome we're expecting to see? Why is it that so many of us are not focusing our time and attention on the right tasks? And I told you it was because a lot of us tend to procrastinate on those tasks. But why is that? Why is it that we procrastinate on the task that could actually have the biggest impact on our performance? And the number one reason is that we feel, in most cases inadequate? We feel like we don't have the expertise necessary to complete that to the standard that is expected of us. So I would say that ultimately boils down to a level of or a decreased level of confidence in US tackling and succeeding at completing those tasks. Okay, so bear with me. We're gonna talk a little bit more about that in the next section. But this is something important to keep in mind because you also want to be aware of what's holding you back from achieving the productivity level that you're hoping to achieve. So let me give you an example of what I mean about identifying high level versus low level tasks and completing a project or your work. In my case, in creating this class, there are a number of things I need to be done to make the whole thing come together. Number one I am required to do a bit of research on the actual methods that work, things that have been proven to work versus things that have not been proven to be effective at increasing productivity. For instance, there's also what I call content creation, which is the biggest part of making this class. It's sitting down and having this conversation with you in order to make this class what he needs to be as an end product. Now, along the way, I also need to think about the contacts in which I am filming. I need to worry about the sound level. I need to worry about the font that's gonna show up in the presentation. I need to create the presentation. So there's a lot of things that I need to be put together in order to create this class. However, if we're really being realistic about the whole thing, the biggest chunk is content creation. Right? Without it, I might have the right song Intro song. I might have the right font and colors and setting, but if I'm locking content, I don't have a finished product. So I know that my attention should be focused first and foremost on creating the content for this class before I move on to anything else. And I've called myself doing other things right. I've called myself finding the font of working on the intro music and working on things that are not actually contributing to 80% of the results that I'm hoping to see. And I think that this applies to any project and you work that you're trying accomplish. They're always going to be things that are just distracters, right. There are things that that are gonna compliment your work, but they're not required right away or they're not as demanding of you as those two tasks. One or two task, depending on the work you're working on in order to achieve. And so spend some time identifying what those are for you. And once you have, I think it's gonna be quite the game changer in approaching your work. So I wish you the best of luck with that. 3. Productivity Booster 2: in this section, we're going to talk about something that I find is underutilized, which is making use of that time. Now. I define that time as time that is spent doing things that are required for most people to accomplish on a day to day basis and are quite time demanding but can also be completed automatically. So if you're not quite getting it right away, I'll just give you an example. What I mean is doing things such as commuting to and from work now it said that we spend around 500 to 1000 hours a year commuting back and forth to and from work, and a lot of us just spend that time listening to music on the radio with just fine. There's nothing wrong with doing that. However. I want to show you that there's more you can do with that time. I'm talking about using this time in order to learn something either new or to improve some of the skills that you're expected to know in your field. I use that time to listen to audio books, and what I want to tell you is that spending about half a Knauer toe an hour each day. Learning something is going to really, really help with your productivity. And you're thinking, How is that? How is that possible? How am I going to see measurable effects? Okay, well, the average audiobook is about seven hours long. You can technically read a book a week now. You don't have to set that up for yourself as a as a challenge, but it's something that you can do easily just by making use of that time now. I talked about driving to and from work and commuting as that time. But there a number of other things that are also considered as that time, such as doing laundry, doing chores around the house, going grocery shopping, working out. There are a lot of hours in a day that we spend doing things that can also run on automatic , where we could be doing something else that we enjoy, and we get some value from. And why is this important? We talked about in the first section how a lot of us procrastinate on certain tasks that would yield the most results, mostly because we sometimes feel a little inadequate or less qualified or just not. ask, qualified as we hope to be in order to accomplish them successfully, which boils down to a bit of lack of confidence on our behalf. And where does that confidence come from? It comes from being extremely knowledgeable or as knowledgeable as you can be on the skills or the topics that are expected of you. And one way to achieve that is on top of actually practicing and keep doing. What you're doing is to just be our top of the newest research, the newest technologies and everything that applies to your field. And one of the best ways to achieve that is through reading. And unfortunately, some of us just don't have the time or can't really fit into our daily schedule. You know, reading, sitting down and reading a book. A lot of us are incredibly busy. We have families, kids, and there's a lot of things going around that just do not allow you to just sit down and read for hours on it. But this is where I'm bringing you, making use of that time to the best of your ability, right? Take books, pick books that are related to your field. Latest research some of the successful people that you admire self development books, anything that you feel is going to help you in order to feel more confident about tackling those tasks. Remember that the goal here is going to be to improve your skills, to learn new things. Be a lifelong learner because you're going to reap in the benefits both at home and in your work. And I also found that when I started picking up this habit of reading or listening to audiobooks quite consistently, it's just I have this flow and boost of creativity in make creating content in writing and so on. And so I think anyone in any field can benefit from just staying on top of new developments in their own field. So how we encourage you to do that now? I also know that, uh, getting into a habit of listening to audiobooks like I mentioned at a frequency of about one a week. It can get quite expensive if you're using something like Audible, even though there's quite a quite a few incentives set up for you to get a free book a month or one, not now, I personally like to use you know, resources that are available to me that are made available to me for free. Since I am a taxpayer, like most of you are, you have access to your public library. And that means that if you haven't already, most of you have a library card. And what's great about the library card is that it gives you access to libraries, database of audio books, e books on a number of other Resource Is, and what I like to do is connect Connect on this app called overdrive that I use to access my libraries content. And what's great is that I've been able to create a list of books that I've been interested in reading or would like to read in the near future and request those through the app. And we just delivered to my inbox for a beard of two weeks for audiobooks and three weeks for e books, which is plenty of time. Teoh get reading and what I love about the app as I'm sure it's not the only up available out there, but it makes it very easy to you. Increase the speed you want to listen. The book at you create bookmarks. And if you ever don't finish the book in time and you get it back, it keeps the page that you were at. You could just get back into whatever it is that you were reading. And I've noticed a significant boost. Like I said in productivity and the confidence that I have in being on top of my field now , for a person like me that there's a lot of reading about research. A lot of that information comes from scientific articles, but I also enjoy reading some of these researchers books because they do culminate a lot of the research into their books. And so it's also a great way to stay on top of the newest developments that way. So if it's not something you already doing, although I'm sure a lot of you already taken advantage of audio books, e books and reading. But if it's something that you've been a little hesitant about, I highly recommend you try it and notice whether you see a change in your just overall confidence level. Maybe your creativity and hopefully your productivity as well. In the next section, I'm going to be going over how to set up overdrive and how to sign into your library, and you can quickly access books and start reading. And I've also included a list of some of my favorite books. Some of the books that I find have had an impact on either productivity on how to better manage my time, have taught me a lot, have made me change my perspective on things. Um, and some of the books that are just very good, well, well written self development books that are highly recommend. And just in case you didn't really know where to start on this path, so you can take a look at that in the class description, so let's get started. 4. Overdrive: Welcome back in this section, we're gonna go over quickly how to set up your overdrive account and access your libraries That a base of audiobooks and e books. So if you haven't done it already or if you don't yet have one, I suggest you pay a visit to your local library or public library and get yourself a library card. Once you have your library card, you will also have a library card number and a password in order to access your account online. Now, once you've done that, I suggest you either download the overdrive app or like, in my case, setting it up on your desktop. So this is what I'm gonna show you how to do. Right now, the interface is very similar on smartphones as it is on the best stop. But when you want to be doing first, once you're here is to find your actual library, your local library. So there it is. There is my library. Save this library, and then we're going to access it this way. So we're going to see what it's doing is it's going to the library's website. Let's go over, Dr. So what? You're here you're basically in your account. Now, if this is the first time you're doing this, you're going to be asked to enter your library card number and your password. And make sure you do that when it asks you if you want to be doing it using an overdrive account or a public library account or signing in with your library card, make sure that you choose that option. The sign in with your library card, because other ways I found that it just it doesn't quite work. And so you want to make sure that you're actually going through the library using your cart . So once you've logged in, you're gonna be faced with this screen, which is again very similar on your device. And you can basically just start Pa Rowing books. It's very straightforward. You can look up books right here. You've got the search bar. Um, very easy. We look up a book that we're interested in and, well, you're going to see if some books are available. Some books you already borrowed, as you can tell right here. And there's this one, for instance, that I wanted to listen to. But unfortunately it was not available at the time, and so I placed a hold on it. What that means is that the book is going to be just to show you an example. So this one, let's do this one place a hold, Okay. And the way it works is it lets you know where you stand on in line. Um, and what's gonna happen is you're going to get an email from your library saying that you are now in possession of the book and you can go ahead and download it onto your account. So at this point, I'm this one is just gonna show, hear us on hold, and you can make wish lists, which is great. Um, and obviously lists of books that are on hold. So now how do you access all these books? Will you go right here again? Very straightforward into your bookcase and all the books that are I went to You should show up here. So these are all the books that I have currently. Now you're going to see that you can also download them on the desktop. I'm not gonna be doing that since they're already downloaded on my phone at the moment and so, but you can access them from anywhere using overdrive, which is great. You can also return them if you want to return them a little earlier if you're done, or you can always re request them later. So this is it. There's nothing to it. It's very, in my opinion, very easy. And it's very affordable because, well, it's free. And it's a resource that a lot of us have but just don't really know about. I always thought that for me to access audiobooks, I had to actually go in person to my library, and it seems like it's no longer the case. I think I should just get on with technology. I think that that was the problem. That's why I've been behind. But I'm sure some of you were still unaware this. So as long as I can help a few of you, Um, it was all worth it. So again, enjoy your reading journey from now on 5. Productivity Booster 3: Okay, So in this last section, we're going to talk about how to do more by doing less, which I know sounds soul counterintuitive. What do you mean by doing less? Well, what I mean is slow down, slow down so you could do more now, I was quite surprised to read some of the numbers that have come out out of productivity studies that show that when we overwork ourselves when people work over 55 hours a week, for instance, there is a significant increase in the risk of coronary heart disease, stroke, depression, diabetes. And I know to some of you these, you know, long term health effects might not be something that is necessarily going to impact how you run your day to day life or how you tackle your work. But, um, more interesting was that after 44 hours, which isn't that much more over what is required of us, you know, most of us work around 40 hour week. 44 hours is not done much more. And yet it's been shown that after 44 hours, our productivity dips significantly, and we might still feel like we're accomplishing a whole lot when in fact will be spent I'm doing is correcting errors and going over stuff without actually seeing the result that we're hoping to see by working those extra hours. And so in this section, we're going to talk about how to slow down. And another thing we're gonna talk about why we should not multitask, which I know was funny. Given that I just told you in the previous section to go ahead and drive and listen to a book, we're going to talk about actual task switching and multitasking in your work. So let's get going now. The problem with overworking is that it has become this invisible addiction a lot of us fall prey to. And as much as we want to blame our employers or the companies that we work for, uh, ultimately it boils down to self discipline and setting boundaries, and knowing went to say no. And, um, I think we can all agree that there just aren't enough hours in a day to get absolutely everything we want to get done. We talked about this at the beginning, but just because there aren't enough hours in the day to get everything done doesn't mean that they're not enough hours in a day to get what we need to get done. Most importantly, to get done, those things that are going to result in the most value to your work. So if you go on fully committing to that in Onley doing those things are going to result in the highest value of your work. Then you shouldn't have to work overtime. And if it's a problem if you feel like your employer is not seeing that and still requesting you to do that, you're just gonna have to stand your ground and show again. Sometimes it might be through numbers. It might be through actual Listen, this is the work that I've been able to get done in these hours. I no longer need to work overtime. People eventually come around, and I think most employers really do just care about the actual outcome or what is that you're producing in that time. And so if you're able to get your work done, there shouldn't be any reason for you, Teoh be asked to work overtime. You're not gonna be able to maintain this type of behavior indefinitely. It's gonna catch up to you Like I said, the numbers do show that there are significant effects on your health and again on your productivity. And that's what we're all here to do, right? We're here to boost our productivity. And if we notice that we're doing something that's hindering that, then we should put an end to it. So be mindful of that when you are, um, falling into that trap where you see yourself fall into that trap that working so many hours, But yet the actual output is nowhere near where your while you're putting in the hours. Anyway, next up, in terms of slowing down, we're gonna talk about avoiding multitasking. The multitasking is something that I've covered in my class on beating procrastination. Multitasking has become this this thing that we do, which gives us this false, false idea of productivity because you feel like you're getting a lot done because you're switching tasks. And so you're tackling a lot of different things at once touching a little bit on each project, um, and therefore must mean then you're actually getting closer to getting those things done when in fact, the reality is that we are not. That's just these are the facts is that no matter how much we try to cheat the system, you can't really cheat your brain out of refocusing on task much faster than it's able to. It's just biologically primed to require a bit of time to just refocus on the other task. And so this is where I want to bring your attention to just really focusing on those tasks that are required for you to complete your work and not fall prey to doing multiple things at once and allowing destructions to come in and take away from your focus and attention and most of oil in your mental energy whenever you multi task whenever you get distracted, we're talking about minimal destructions here. It doesn't have to be, Ah, fire alarm. It could be a simple as a notification on your phone, a light showing up on your phone. It could be a coworker walking in and asking you, How can I have a minute? Just have a question. Anything, really that removes your focus from the task you're trying accomplish is going to require your brain up to 17 minutes to get back on task. Now think of the amount of times that you get interrupted when you're focused, just shifts to something else. We could talk about external distractions, but there's also internal ones where we let her mind wander in different directions or doing other things, and you want to minimize most of those. You want the set specific times when you will be replying to emails when you will be answering phone calls, returning voicemails and, um, try to limit destructions as much as you can and try to stay focused on task if you really want to boost your productivity. Otherwise, where you're spending time doing is refocusing. You'll be spending most every day just re focusing your attention, which is a huge time waster. And the other thing you'll be doing is correcting mistakes because what's been shown is that the more we multi task, the greater increase in mistakes that we make. And it's not something that we're consciously aware of. Our brain is unable to differentiate, at least not in real time between the importance of these destructions. So your brain and I'm sure most of you can actually attested. This is when you're being interrupted. You can't you're not actually aware that OK, Yeah, This is worth the interruption where this is not worth the interruption. Most of the time, these things will get or will catch our attention regardless of their importance. And so you need to make a conscious effort to not allow any destructions to come in because , like I said, we have to work with our biology and with our own brain is limits. And one of those limits is that it just can't differentiate between on important interruption, any non important one. And let's be honest. Most of them are not important, at least based on studies. A lot of them boiled down to phone calls, e mails, voice mails, phone notifications, text messages and so on. These are all things that we can eliminate, or we can allocate a specific time for during the day to tackle them. So once you get a hold of like I said, slowing down and just focusing your attention, that on things that truly matter, you're not gonna need to work extra hours in your workday, and you're also not going to be required to multi task and feel like you're just always busy but not really getting anything done. another way that you can slow down is literally slow down. Take a break, A lot of us at work. When we are given a break, we either go and interact socially, which again there's a time and a place for that. It's certainly important to be social and interact with people, or we jump on social media or Web browsing. We always do something. We're not actually allowing our brain to rest, and our brain does require rest, Right? We talked about that funnel being filled with a very limited amount of energy and focus that we have. And so when you want to do is just give yourself time to do absolutely nothing. Now it doesn't have to be for half a Knauer. It can literally be for 23 minutes where you just close your eyes and you just rest your mind. Um, some people do meditation, so if it's something that you're into or you would like to try, I highly recommend. Start small focus on two minutes of just focusing on your breath and you will notice this calm this warm blanket over you like you're able to start a new task. So if you ever feel like task. Switching is one of the points in your day where you feel like you're drifting. We're procrastinating or your productivity dips. Then maybe introduced these brakes. Thes mindful breaks between these tasks switches that you dio and allow your brain to just take a break. Now if you're working from home and if you actually have the resource is and you're able to do it taking a nap a very short not we're talking about 15 to 20 minutes at most to just allow yourself. The rest has been shown to just boost your cognitive abilities and improve your working memory on tasks following this little short Now so again, don't underestimate the power of slowing down or taking breaks, because when we talk about productivity, remember, it's not about doing something fast or doing many things on once it's about the end result and about the effort that you put into it and what the output is. And our goal should be to do the most with the least amount of effort. And once you get that ingrained in you and you try to work so that your effort reflects that, then you shouldn't have too many issues with procrastination or seeing a productivity shift in your in your work life. So again, try to incorporate these steps that we talked about. And I've provided the outline for how to track your how you spend your time at work and where you spend your time and see whether that makes a difference in your life. In line with this, we also saw that if procrastination was something that you struggled with, you should aim to procrastinate on low level tasks or task that do not bring a significant amount of value to your work. Productivity booster number two was all about making use of that time or time that is allocated to doing mostly automatic behaviors throughout our days. In this case, I highlighted how we can spend time learning new things by listening toe audiobooks and thereby boosting our confidence in her own abilities, which is one of the ways that you can indirectly help yourself tackle high value tasks that you might have been procrastinating on in the past. Remember what I said way tend to procrastinate on tasks that we feel our task that demand Mr Abilities that were not very confident we have or are at the level that we hope to be. And overall, we also just talked about the actual benefits reading has on our well being. So it's definitely something that I encourage you to incorporate into your routine. Lastly, productivity Booster three tackled product TV from a different angle way. Talked about acknowledging our own limitations, our body's limitations. And so we talked about how slowing down in order to boost productivity is something that we should also prioritise. We saw that multitasking allowing distractions to break our focus as was not allowing our bodies and our brains to rest, can have a direct negative impact on our productivity. Before implementing some of these boosters that we talked about into our working routine, we acknowledged the importance of measuring our current productivity level, and in order to measure, we're gonna need to track her behavior. So I designed this tracker to help you identify your high level and low level tasks and to help you better plan how you allocate your time and focus throughout your working day. So I encourage you to track your behavior and the direct effect of your efforts for a couple of days before coming up with what you think are your high value tasks. Now at the same time, pay attention to moments throughout your day that you might consider are good candidates for that time, as well as identifying common distracters that you might want to eliminate or limit throughout your day.
